Options for sharing PowerPoint slides in Webex (including Presenter View)

Webex by Cisco is one of the legacy web meeting platforms and that shows in the options they offer presenters for sharing PowerPoint slides during meetings. Their approach is different from that of Microsoft Teams or Zoom and they offer fewer options that don’t offer as good an experience for the presenter and meeting attendees.

The screen-based approach

Webex was built when the model for sharing content during a web meeting was to share your screen or don’t share at all. This shows in their sharing approach. You have the traditional option to share your entire screen which works the way you expect it to. The attendees see everything on your screen.

Webex also offers sharing an application in a meeting but it still works on the screen-based approach. The attendees see your entire screen but the only visible part is the application you are sharing. If your application only takes up a quarter of the screen, the attendees see three-quarters of the screen blank and your application small in one corner, as shown in this screen capture of an attendee screen while showing a PowerPoint Slide Show running in the PowerPoint window.

If another application is partially covering up part of the application you are sharing, that portion is greyed out for the attendees [ Late 2020 update: With the new version of Webex, a non-shared window on top of a shared window does not cause that part of the shared window to be greyed out. The audience continues to see the full shared window. ].

The application sharing is not window based. If you have two windows open for that application, say two PowerPoint files, when you share the PowerPoint application, the attendees will see both PowerPoint windows on the screen. The only way to hide one is to minimize it to the toolbar.

Webex allows more than one application to be shared at a time because it is just making more of the shared screen visible to the attendees. If one application is on top of the other, that’s what the attendees see on the screen. When sharing an application, you need to stop sharing that application if you don’t want the attendees to still see it. This is a different approach to switching what content you share with attendees in a meeting.

Webex also always shows your cursor on the screen, even if it is not within the window of the application you are sharing. As the cursor moves, the attendees see it moving.

Sharing slides only

If you want to share your slides in Slide Show mode with the slides full screen and you can’t see anything else on the screen, the best option is to share your screen when in Slide Show mode. This will work well.

Presenter View with 1 screen

Unlike Teams or Zoom that offer ways to use PowerPoint’s Presenter View Preview mode to share your slides with the attendees while you see your notes, this is not possible in Webex. If you use Presenter View Preview and share the PowerPoint application, the attendees see all of Presenter View, including your notes and the next build/slide. Even the option of using Google Slides Presenter View in a browser ( video here ) does not work because Webex shares all browser windows when you share the browser app, including the one with your notes and slide previews. The only way to use Presenter View in Webex to share the slides with the audience while you see your notes is to have two screens. If you only have your laptop and don’t have room for a second screen, one option is to create a “ghost” second screen as I explain in this article .

Presenter View with 2 screens

If you have two screens ( article with options for adding an additional screen ) you can use Presenter View in Webex. Share the screen with the Slide Show on it and the attendees will see your slides only. The downside is that Webex puts the meeting controls at the top of the Slide Show screen because it is being shared. Attendees will see your cursor move to the controls and when the controls drop down that part of your slide is covered up with grey rectangles.

Sharing the Slide Show in the PowerPoint window

Another option for sharing slides in a virtual meeting is to use Reading View in PowerPoint where the slide show runs in the PowerPoint window. This can allow you to use a PDF of your notes on the screen beside the PowerPoint window ( article on using this method in Zoom ). As explained above, the attendees will see your slides in only a portion of the screen (as shown in the screen capture above) and they will see your cursor moving in the grey area of the screen as you scroll through your notes.

Seeing your notes on a second device

If you only have one screen or don’t want to use Presenter View, one option to consider is to create your speaking notes as a PDF ( article here ) and display them on a tablet that is positioned beside the screen. You can display the slides full screen in Slide Show so the attendees see a full screen slide and scroll through the notes on the tablet when speaking.

Sharing a file

Webex also offers an option to share a file that is not open already. You select the file from a file explorer style window. Unfortunately this also appears to be a legacy module because if you select a modern PowerPoint file it gives you a warning that animation and other dynamic content will not work if you use this share file option. This means that what gets shared may not be the same as what you have designed. This uncertainty rules out this option in my mind.

Use the Optimize for video option

Webex, like Zoom, has an option to set if you want to share video during the meeting. It is not mandatory, but the quality improves for the attendees. Not only does the quality of videos improve, but any animation that has movement or any Morph transitions improve dramatically as well. Without this setting, any motion animations or transitions appear jerky to the attendees. In the sharing dialog, select the option in the top left corner to “Optimize for motion and video”. I suggest you use this mode all the time as it will make any movement in your PowerPoint presentation appear smoother to the attendees. If you get a warning message about the resolution being reduced, I have found that you can safely dismiss it as the quality appears the same in my experience.

Desktop as a canvas

Because Webex uses the screen sharing approach, you may want to consider whether you want to use your desktop as a canvas as explained in this article and video .

Recommendations

Because Webex uses a screen-based approach to sharing, the best experience for attendees is when you share your screen, not an application. If you don’t need to see any notes, share the full screen Slide Show. If you want to see your notes in Presenter View, you will need two screens so you can share the Slide Show screen in the meeting while seeing Presenter View on the other screen. If you want to see your notes and not use Presenter View, your best option is to use two screens and run Slide Show full screen on one screen and look at your notes on the other screen in PDF or Word.

If you have one screen and want to see your notes in Acrobat and share your slides in a PowerPoint window, you will have to make the slides take up as much of the screen as possible while still being able to see your notes document. The attendees will see a blank area of the screen where the PDF is displayed and see your cursor move as you scroll through your notes but Webex doesn’t offer any better option. You may want to consider the option to have notes on a tablet beside the screen that has the slides full-screen in Slide Show mode because the slides will be larger for the attendees.

  • Launch a browser, navigate to  umaryland.webex.com , then login to Webex using your UMBID and password, and DUO two-factor authentication.
  • Find and click on the Start a Meeting button.
  • Enable your microphone and camera and click, Start Meeting.
  • If appropriate, launch PowerPoint and open your slide presentation.
  • When ready, click the Recorder button on the bottom of your screen and begin your presentation.
  • To display the PowerPoint, you must Open Powerpoint first, click the Share Content button (next to the Recorder button) and select PowerPoint.
  • To stop sharing the presentation, move your pointer to the orange bar at the top of the screen wait for the tool bar to descend from the top of the screen. Select Stop Sharing.
  • To Stop the Recording, click on the Recorder button again and select Stop Recording.
  • To share your recording, return to the Webex Portal (umaryland.webex.com and select Recordings (on the left). Please be aware that your recording may not be immediately available. Lengthy recordings sometimes take up to 24 hours to finish “generating.”
  • Locate your recording and either click the Download button to download a MP4 version of your video or click the Share button to email the recording to your selected recipients.

How to share a powerpoint presentation using Cisco Webex

Many of us have had to turn to running meetings virtually in recent weeks, which can be a daunting task if you are not familiar with using virtual meeting software.

Here is a quick guide on how to share a Powerpoint presentation using Webex during a virtual meeting.

Log into your Webex account, create your meeting invite and join your meeting.

Once your meeting is set up, simply click on the share screen button (below) in Webex.

This will open a pop-up screen (below) where you can select how you wish to share your presentation. In this case either via desktop or using Powerpoint directly.

This will automatically broadcast the app or desktop view you chose to share. A small orange Webex strip will be visible at the top of the screen to remind you that you are broadcasting (below).

If you hover over this strip you will find more options (including the ability to annotate your slides and use a group chat).

Sharing a Powerpoint presentation with Participoll using Webex

If you are running an interactive PowerPoint presentation with ParticiPoll, all the polling/interactive functions within your Powerpoint will function normally (below).

The audience can continue to use their mobile devices to participate with polling etc. as normal.

When sharing a Powerpoint presentation with Participoll in Webex remember the screen share feature (either desktop or via the Powerpoint app) is what you need to use to share your presentation, all ParticiPoll functionality remains the same.

Remember to test your slides before your meeting to ensure everything is working before you go live!

How to Share PowerPoint on Webex (Easy ways)

Webex is a popular online meeting and collaboration platform that allows users to share their screen, audio, and video with others. One of the features that Webex offers is the ability to share PowerPoint presentations with the participants of a meeting.

In this section, we will show you how to share PowerPoint on Webex, how to use the slide show tools, and how to stop sharing your presentation when you are done.

Sharing PowerPoint on Webex

To share entire screen:.

Step 1: Start a meeting on Webex.

Step 2: Click on Share located at the bottom of the screen.

Step 3: Click on “Microsoft PowerPoint” in the Share Content window and click Share.

Step 4: Go back to PowerPoint and start the slide show. The whole screen will be shared with the meeting participants.

To Share a Portion of the Screen:

Step 1: In your PowerPoint, go to the Slide Show tab and click on “Set Up Slide” Show.

Step 2: Select “Browsed by an individual (window)” in the Show type section and click “OK”.

Step 3: Start the Slide Show.

Step 4: Start a meeting on Webex, and click on Share at the bottom.

Step 5: Go to the Advanced tab and choose “Portion of screen”.

Step 6: A dotted green border will appear on the screen. The portion of the screen within the border will be shared with the meeting participants. Adjust the border to cover the part of the presentation that you want to present, hiding the rest. Click “Share”.

Slide Show Tools

Once your presentation is loaded and displayed in the meeting, you will see a toolbar at the top of the screen with various slide show tools. You can use these tools to control and enhance your presentation, such as:

A - Annotation: This tool enables users to create, edit, and delete annotations on slides using various shapes, colors, and text, and assign privileges to other participants.

B - Show Thumbnail: The tool displays thumbnails for each slide, allowing navigation and displaying which slide is currently being viewed by participants, by clicking on the Show Thumbnail button.

C - Go to Previous or Next Slide: Slide tools enable navigation, display current and total slides, and can be accessed using left or right arrow buttons, keyboard arrow keys, or spacebar.

D - Zoom In and Zoom Out: Zooming and adjusting slides is possible using tools like plus or minus buttons or mouse scroll wheel, allowing for a better fit and viewing experience.

E - View Menu: This tool allows you to customize your presentation's viewing options, including thumbnail, slide rotation, synchronization with participants' view, or bringing all windows to the front.

Stop Sharing PowerPoint Presentations

To stop sharing your PowerPoint presentation on Webex, follow these steps:

Step 1: Go to the Webex meeting screen.

Step 2: Click on the Cross icon “X” at the bottom right of the screen. Alternatively, you can press the “ESC” key on your keyboard.

Step 3: Your screen sharing will end and you will return to the Webex interface.

Step 1: Open the PowerPoint file you want to present.

Step 2: Click the Slide Show tab and then select Set Up Slide Show.

Step 3: Under Show type section, select “Browsed by an individual (window)” and then click “OK”.

Step 4: Start or join a Zoom meeting.

Step 6: In the “Share Screen” window, click on Advanced tab > Portion of the screen > Share.

Step 8: Return to PowerPoint and begin the slide show by selecting "Play from Start" or "Play from Current Slide" from the menu.

Step 9: Adjust the border according to your slides and what you need to display.

Q2. How do I make PowerPoint only show on one monitor?

To present a PowerPoint Presentation on a single monitor, follow these steps:

Step 1: Go to the Slide Show menu and uncheck the ‘Use Presenter View’ option in the Monitors sub-menu.

When you take part in a Webex meeting, you can share your screen with the other attendees – anyone can "take control" of the meeting and share content. Of course, only one person can share at a time, so if you start sharing, Webex will disable the previous presenter automatically. 

No matter how you are joined to a Webex meeting – from the Windows or Mac desktop app, a web page, or mobile app – the process to share is almost identical, though the controls vary somewhat once you are sharing.

While a meeting is taking place, tap the "Share" button at the bottom of the screen. Most of the time, you should be able to see the "Share" symbol (a U with an upward arrow) to the right of the "Start Video" button. If you don't see it, tap the three-dot menu to see more options and you will find it there.

Choose the kind of content you want to share. The first option should be to share the screen. If that's what you want, tap it. Otherwise, you can browse the other share options, such as a specific app or browser window, or even a whiteboard you can draw and write on. On the mobile app, you'll also have the option to share photos from your camera roll.

The sharing experience varies depending upon what device or app you are using to share:

  • Windows or Mac desktop app: When you start sharing, you'll find a menu at the top of the screen. You can click "Share" to change the kind of content you are sharing. Click "Pause" to freeze the view that other participants see, or "Stop Sharing" to disable the screen share. 
  • Browser: While you're sharing, you can click the "Share" button to view or hide a pop-up that displays a preview image of your shared content. Click "Stop sharing" to end the sharing session.
  • Mobile app: While you're sharing your screen, you may leave the Webex app to show content from other apps. To stop sharing, tap the red time display at the top left of the screen and then tap "Stop." You can then return to the Webex app and tap any blank part of the screen to return to the meeting.

Sharing video content with audio in Webex on your Mac is similar to how you would do it on Windows 10, but it requires a couple of more steps. Here’s how it’s done:

Sharing your video content with audio in Webex on Linux is also possible. Here’s how you can do it:

  • Open the Webex desktop app and either start a new meeting or join one.
  • Hover your cursor over the screen for the toolbar to appear and go to Share content .
  • A new tab will pop up. Click on the Optimize for text and images tab.
  • Select Optimize for motion and video from the menu.
  • Click on the Share your computer audio box in the bottom-right corner of your screen.
  • Choose the screen or app where your video is.
  • Enter the video and press Play .
  • When your video finishes playing and you don’t want to share any more content, simply go to the Stop Sharing bar at the top of your screen, and you can continue your meeting.

If you have multiple videos to share, but they are located within different screens, go to the Share content icon to switch between screens. The fewer tabs you have open at this point, the better. Too many open pages and tabs can confuse both you and your colleagues.

  • Now, choose Optimize for Video and select the Include Audio option.

How do I pass the presenter role to an attendee or participant?

How do i allow an attendee to share a presentation or application in a meeting, how do i change presenters, how do i make someone else a presenter, how do i pass the presenter ball.

Anyone attending a Webex session may view shared data, but only the person designated as the Presenter may share presentations, screen/desktop, or applications. The meeting or session host is normally the presenter in a meeting.

  • Webex Meetings or Training: The host can designate most meeting attendees as the presenter. They can also reclaim the presenter role or change the presenter at any time. With later Webex releases, the first attendee who joins before the host may have the presenter role. If this option is enabled, attendees may present and share data even though the host has not yet joined.
  • Webex Events: You can invite Panelists, who have presenter rights. Only the Host or Panelists may present in Event Center.
  • Attendees on mobile devices, such as an iPhone or Android phones, may not be able to take the presenter ball due to hardware/system limitations on their device. For best results, all presenters should be joined on desktop PC's or Mac computers. Participants joined from a mobile device appear in the Participants panel with a mobile device icon to the left of their name.
  • The presenter role cannot be passed onto an attendee who has joined using the Webex WebApp.

Use one of the methods below to designate a presenter or reclaim the presenter role :

  • On the Participants panel, select the desired participant's name, then click the Make Presenter button.
  • Right-click the name on the Participants panel, then select Change Role >  Make  Presenter .
  • Select the desired attendee's name on the Participants panel, go to the Participant menu > then select Change Role  > Make  Presenter .
  • On the Participants panel, click and drag the presenter ball to the desired participant's name, then click on the Yes button.
  • Click and drag the presenter ball from the current presenter to your name in the Participants panel, then click on the Yes button.

Any participant can share the content in the meeting by simply selecting 'Share' on the Quick Start tab, Menu Bar and Floating Icon Tray. This feature makes it easier to change presenters in a meeting and improves the overall collaboration experience. If hosts want more control over sharing, they can disable this feature while the meeting is in progress. This option can also be disabled for the site in Site Administration Page as this feature is enabled by default.

Note : Make Me Presenter button has been removed from the participant's view.

  • Changing the presenter discontinues any application or desktop share currently in progress. However, any documents, presentations, or whiteboards that the current presenter is sharing will remain in the content viewer. Also, any poll that the current presenter has opened will remain in the Polling tab.
  • Attendees may take the Presenter role if that option is enabled on the Webex site. This option is enabled by default on new Webex sites.
