Teams is great for collaboration and makes it super easy to get students working together on something.

However, it is also great for creating work that students can complete individually.

Using the Assignments features in Teams is easy and is baked into any Classes Teams you’ve created. You can upload documents created in Word, Excel and PowerPoint (if you want students to add their own ideas) and you also add PDFs or Picture files (if you want students to have them as a reference.) The assignments features allows you to set due dates and schedule to assign later (for those of you who have already planned out your entire year.)

Points can be given and rubrics can be attached. The review tool makes it easy to give feedback and get the assignments returned to students.

You can also create assignments from Microsoft Forms and have them automatically graded.

Read below to learn about getting going with the Assignments feature.

Create an assignment in Microsoft Teams

Select the Assignments tab in the General channel.

  • Enter a title for this assignment—this is required. Your title will appear on the assignment card in the weekly assignment view.

To view and manage Assignment settings, go to Education > Assignment settings in the Teams admin center.

The following are settings related to Assignments:

Weekly guardian email digest

Guardian emails are sent each weekend to parents or guardians. The email contains information about assignments from the previous week and for the upcoming week. The Parent and Guardian Sync can be setup using School Data Sync .

Import parent contact information via Parent and Guardian Sync in SDS. For instructions on how to enable Parent and Guardian Sync, see Enabling Parent and Guardian Sync .

Turn on the Guardian Setting in the Microsoft Teams admin center, as the setting is turned off by default. This will enable teachers to send out a weekly digest.

Teachers can opt-out of the digest by deselecting the setting inside their own personal class team ( Assignment Settings > Parent/Guardian Emails ).

To verify that Parents will get the email, the following three items must be true:

Email address attached to the student profile in SDS and tagged as Parent or Guardian . For details, see Parent and Guardian Sync File Format .

Students belong to at least one class in which e-mail isn't disabled by the teacher in assignment settings .

The emails will contain information about assignments that have a due date from the previous week or in the upcoming week.

To enable Turnitin for your organization, you'll need a Turnitin subscription. Then, you can input the following information, which can be found in your Turnitin admin console:

  • TurnitinApiKey : This is a 32-character GUID found in the admin console under Integrations.
  • TurnitinApiUrl : This is the HTTPS URL of your Turnitin admin console.

Here are some instructions to help you obtain this information.

The TurnitinApiUrl is the host address of your admin console. Example: https://your-tenant-name.turnitin.com

The admin console is where you can create an integration and an API key associated with the integration.

Select Integrations from the side menu, then select Add Integration and give the integration a name.

The TurnitinApiKey will be given to you after you follow the prompts. Copy the API key and paste it into the Microsoft Teams admin center. This is the only time you can view the key.

Screenshot showing copying the API key.

Upon clicking the Save button in the admin center for this setting, allow a few hours for these settings to take effect.

Assignments data

Assignments stores information that is generated both by teachers and students. All the data is co-shared between teacher and the specific student for which the information is intended in class. There are two stores of this data, SharePoint and outside of SharePoint.

The same rules also apply to first-party integrations such as Reading Progress.

Assignments data in SharePoint document libraries

Students' files associated with a Submission for Assignment are stored in a document library (named: Student Work ). Files associated with Assignments that are created by teachers and accessible by Students are stored in another document library (named: Class Files ) in the corresponding Class Team SharePoint site. First-party integrations may also store Assignments data in the same corresponding Class Team SharePoint site (named: Assignments title + time stamp ).

Files associated with the student

IT admins can use the Content Search tool to search for student files ( Student Work , Class Files , or other 1st-party integration files) that are related to assignment submissions and files that are related to assignments. For example, an admin could search all SharePoint sites in the organization and use the student's name and class or assignment name in the search query to find data relevant to a data subject request (DSR).

Files associated with the teacher

IT admins can use the Content Search tool to search for teacher files ( Student Work , Class Files , or other 1st-party integration files) that are related to assignments and files distributed to students by the teachers within a class on assignments. For example, an admin could search all SharePoint sites in the organization and use the teacher's name and class or assignment name in the search query to find data relevant to a DSR.

Assignments data outside of SharePoint document libraries

Some data related to Assignments isn't stored in the class team SharePoint site, which means it's not discoverable with Content Search. This includes:

  • Student grades and feedback from the teacher
  • The list of documents submitted for an assignment by each student
  • Assignment details like Due Date, etc.
  • First-party integration data like Reading Progress passages or student pronunciation data

For this type of data, an IT admin or data owner, such as a teacher, may have to go into the assignment in the class team to find data relevant to a DSR. The admin can add themselves as an owner to the class and view all the assignments for that class team.

If a student is no longer part of the class, their data might still be present in the class as no longer enrolled . The student will have to provide the tenant admin the list of such classes that they were ever a part of.

Bulk Export assignment data outside of SharePoint document libraries

For a student.

To bulk export a single student's data, before removing the student from the classes they're part of, run the script and provide the userId . If the student has been removed from the site, either the admin can add the student back to the class before running the script, or the admin can provide the userId and the classId that the student was ever a part of.

The data about the student submissions will be exported.

For a teacher

Bulk Export assignment data works the same way for a student, but all submissions that the teacher has access to will be exported.

Bulk Delete assignment data outside of SharePoint document libraries

To bulk delete a single student's data, before removing the student from the classes they're part of, run the script and provide the userId . If the student has been removed from the site, either the admin can add the student back to the class before running the script, or the admin can provide the userId and the classId that the student was ever a part of.

Providing a ClassId will allow the admin to only delete information about the student from a specific class.

Since an assignment's data for a teacher is shared across the class, there's no bulk delete option. Instead the admin can add themselves to the class, go to the app, and delete the assignment.

For more information, see Configure assignments for Teams .

Removing Assignments and Grades

You can also use Teams policies to remove Assignments and Grades for a specific user or for your entire tenant.

To remove Assignments and Grades for an individual user, go to Teams Admin Center and navigate to Teams apps > Permission policies to create a new app permission policy definition. When creating the new policy definition, set the Microsoft apps policy to Block specific apps and allow all others and add Assignments and Grades to the list of blocked applications. Once your new policy definition is saved, assign it to the appropriate users.

To remove Assignments and Grades for your entire tenant, go to Teams Admin Center , navigate to Teams apps > Manage apps , and search for and select Assignments and Grades from the application list. Change the status setting within the applications' settings page to Blocked .

Assignments diagnostic tool for users

Microsoft Support has created a tool to collect diagnostic data for the Microsoft engineering team to investigate issues related to the Assignments feature.

This tool can be accessed inside of Assignments on any screen the users experience an issue.

To pull up the diagnostic tool in Teams, users can:

  • Select Ctrl+/
  • Touch the screen with two fingers and rotate fingers 45 degrees, or
  • Tap on the screen with three fingers for 15 seconds

Once the diagnostic tool pops up, users will see a list of data that may be needed by Microsoft technical support.

The data pulled may include:

  • Assignment ID
  • Submission ID

This data isn't automatically sent to Microsoft. Users need to copy and paste the data to a Microsoft support agent regarding a support ticket.

If a user pulls up the diagnostic tool then closes it, no data is sent.

When the data is sent to a Microsoft support agent, it's handled as Support Data under your organization's Microsoft 365 service agreements.

For instructions on using this diagnostic tool that you can share with educators and students, see Get diagnostic data to troubleshoot Assignments .

Best Practices for Effective Task Assignment in Microsoft Teams

To ensure effective task assignment in Microsoft Teams, master the best practices. Communicate clear expectations, set deadlines and reminders, and provide feedback and recognition. These strategies will streamline collaboration, boost productivity, and foster a sense of accountability among team members. Get ready to optimize task management in Microsoft Teams with these essential techniques.

Communicating Clear Expectations

Successful task assignment in Microsoft Teams needs effective communication. Clear expectations guarantee a good workflow with successful project completion. To communicate clear expectations, do the following:

  • Define the task: State the desired outcome, objectives, and related deadlines.
  • Supply precise instructions: Split the task into smaller parts and provide specific instructions for each one.
  • Set performance standards: Explain the quality of work needed and any metrics that should be met.
  • Motivate questions and comments: Generate an atmosphere where team members feel comfortable asking questions and seeking clarity.

By communicating clear expectations well, you can stop confusion, improve efficiency, and boost collaboration between team members. This helps everyone stay on the same page and work towards a shared goal.

Besides these key points, it is important to have regular check-ins with team members to monitor progress, tackle any issues or obstacles, and give ongoing support. This helps maintain responsibility and keeps everyone focused on meeting expectations.

Remember that effective communication is a two-way street. Stimulate open conversation and active listening to guarantee that both sides completely understand each other’s expectations.

A study done by Harvard Business Review in 2019 showed that teams with clearly defined goals are 3.6 times more likely to reach those goals compared to teams with unclear or fuzzy goals. Consequently, communicating clear expectations is important for succeeding in Microsoft Teams tasks.

By following these best practices for effective task assignment in Microsoft Teams , you can better collaboration, simplify workflows, and raise overall productivity with your team.

Setting Deadlines and Reminders

Staying on track with tasks? Follow these 4 steps !

  • Rank them in order of urgency and importance.
  • Set realistic deadlines and leave time for completion.
  • Remind yourself and teammates of deadlines.
  • Review and adjust as needed.

Let’s look into some special details!

Communicate deadlines clearly with your team. Utilize Microsoft Teams to assign deadlines and get notifications when they’re close.

Recently, our team used these strategies to meet a strict client deadline. We prioritized, set realistic timelines, and used reminders. Our high-quality results were ready ahead of schedule!

Providing Feedback and Recognition

Feedback and recognition are essential for a productive work environment. Showing appreciation for team members not only raises morale, but also encourages them to strive for better results. Here are 6 key points to achieve this:

  • Constructive Criticism – Give advice aimed at improving performance, based on actions, not character.
  • Timely Recognition – Praise efforts quickly to nurture good behavior and growth.
  • Balanced Approach – Make sure feedback and recognition are kept in balance.
  • Clear Communication – Express expectations, goals, and improvement needs with clarity.
  • Individualized Approach – Offer feedback and recognition that suit each team member’s strengths, weaknesses, and interests.
  • Encouraging Environment – Promote open communication and honest feedback.

Moreover, take into account each individual’s context when providing feedback and recognition. Acknowledging their role and linking their goals to team objectives will create a custom experience that encourages motivation.

As an example, a team leader showed appreciation for one member who had been consistently giving their best. This recognition not only boosted the individual’s confidence but also inspired the rest of the team. The act of appreciation spread and resulted in improved productivity from the whole team.

Exploring the journey of assigning tasks in Microsoft Teams has been quite an enlightening experience. We have looked at the various steps and various features that can help with this process. Now, let us draw some conclusions.

Teams also offers real-time updates and notifications. This ensures that everyone is aware of task assignments and deadlines. No more need for constant follow-ups or resource-intensive status meetings. Plus, the ability to integrate third-party apps further improves task management capabilities within Teams .

Below is a quick, everything-you-need-to-know guide on assignments in Microsoft Teams. Let’s get started!

Create an Assignment in Microsoft Teams

To begin creating assignments in Microsoft Teams, you first need to be sure of two things:

  • You are logged in with a Microsoft EDU account
  • The Team you have created is a Class Team type

If both of those things are complete you will be able to see the Assignments tab on the side ribbon and on the top ribbon in the General channel. If you need help getting to know the interface and basics of Teams, check out our Teams Guide for Teachers.

there are two places to access Assignments in Microsoft Teams. The side panel and in the General Channel.

Start a New Assignment

Now, to create your assignment, click on the Assignments tab from the top ribbon under your General Channel. Click Create , and then Assignment , to begin your first assignment. You can explore creating a quiz with the help of Microsoft Forms and creating an assignment based on a pre-existing assignment another time.

Create an assignment

Add Assignment Details

In your new assignment, add a title and a description to let your students know what to do to complete the assignment.

If you prefer to attach the instructions as a document, or have supporting materials to the assignment, you can attach them under the Add Resources link. Teams allows you to attach files in many different ways: through your OneDrive, ClassNoteBook, from a link, by creating a new file, or from uploading a document from your computer.

When you attach a resource, you have the option to allow students to edit it or not. By default, they cannot edit; however, if you prefer to change this, just click on the three dots at the end of the resource and click, Students edit their own copy. Now, when students edit this file, a new copy will be made for them, and it is automatically attached to this assignment for an easy turn-in.

Set Points and a Rubric

To easily grade this assignment in Teams, assign the number of points it is worth, or add a rubric . Similar to creating assignments, you can use a pre-existing rubric, upload one, or create a new one.

Creating a new rubric is very customizable so you are able to add all the information your students need to complete the assignment. Just add a title , and a description , then fill in the rest of the rubric. If you need more categories , just click the plus button at the end of the columns, or after the bottom row. In addition, you can assign points to each category of the rubric.

schedule assignment in teams

Choose Students to Assign the Work to

The next step in creating an assignment is to assign it to your students. You can assign it to all of them, or a certain student(s) for more individualized work. Just click Assign to All, or go through the list and click the students you would like to assign this to.

schedule assignment in teams

Give a Due Date & Close Date

In Teams, there are two different categories of dates for when the assignment is due.

Due Date: This is when the assignment is due, however, students are still able to turn in the assignment late, after the due date has passed.

Close Date: This is when the assignment closes and no more submissions are allowed.

To set both of these, and schedule this assignment for the future, click Edit under the Due Date section. To set a Close Date , click the checkbox on the side and set the date.

When all of your setups are complete, back at the top of the page, click assign, or save for later if it still needs a bit more work.

schedule assignment in teams

How Students Can Turn in Assignments

After you assign an assignment, students will receive a notification. They are able to view the assignment in the General Channel or on the Assignment tabs.

The student’s view of the assignment is very similar to the teacher’s view. They will see the Due Date and Close Date, the instructions, any files you have attached, and a rubric if there is one.

Students can begin their assignments right away in Teams if you have attached a document for them to work on. In the example below, students would be using PowerPoint on their desktops simultaneously with ClassPoint to make their presentations more interactive. As they work, their changes will be saved automatically. If you don’t have a document attached, students can upload and attach their work instead.

When they have completed their work, they just need to click Turn In. They will see a fun animation appear indicating the turn-in is successful.

How to Grade Assignments

Once students have turned in their work, you will receive a notification. Now, you can easily look over and grade their work. Click into an assignment to view how many students have turned in their work, how many need grading, and how many you have already graded.

To grade an assignment, click on the Turned in status. Here, you are able to view their work alongside a tab for you to give them feedback. If you have a rubric , it will open for you to assign the points for each category. Scrolling down, you can leave feedback to let them know what they excelled at and what needs more work.

When the grading is completed, you can return it to the student. They can view your feedback, make changes, and turn it in again if necessary.

To easily jump between students for a continuous grading experience, click the arrows on the side of the student’s name, or click on the student’s name for a drop-down menu of your other students.

Export Grade Data

In Teams, it is really easy to export data, especially for assignments. You can export data for certain assignments, in addition to exporting all assignments and student grade data. This can be done from the Grades pivot on the top toolbar. You will see a complete list of your students, and of each assignment on this tab that you have assigned throughout the year.

We have put together some frequently asked questions in case you still have some lingering questions before you get started!

What if I don’t see the Assignments tab?

If you don’t see the Assignment tab on the top ribbon in your General channel, or on the side ribbon, you are not logged in with a Microsoft EDU account. Create your own, or get in touch with your IT department for your login.

What is the difference between the Due Date and the Close Date?

Students can still turn in Assignments after the Due Date has passed, but once the Close Date has passed, no more submissions are allowed.

If I return the assignment to my student does that mean I want them to redo it?

Not necessarily. You can return all assignments to the students so that they can see your feedback. If you want a student to redo the assignment, you should let them know in your feedback.

Can I attach a PDF for my students to edit to the assignment?

You can do this through your Class Notebook! Insert the PDF to a Class Notebook page and set it as the background. Then, you can assign this page to your students.

Watch this for a visual guide on how to insert a PDF to a Class Notebook page.

Can I assign an assignment to a certain channel?

Unfortunately, no. You can only assign to the General Channel, which is all your students, or assign to individual students when setting up the assignment.

Consider this—you are just two weeks away from a major launch, and the pressure is on. Like juggling balls at a circus performance, you must figure out who’s doing what, especially when your crew is spread across different departments and task requests are flying in from all directions.

The next thing you know, you’ve got three people working on the same task, and precious time is slipping through your fingers.

That’s why having a structured task assignment system isn’t just a good-to-have —it’s a lifesaver. It’s your roadmap to saving time, enhancing communication, and cranking up your team’s efficiency.

So, let’s explore how you can turn task assignments into an ingredient for success.

The relationship between task assignment and team productivity, comparing task allocation and delegation, setting clear goals and objectives for tasks, prioritizing tasks based on importance and urgency , delegating tasks to team members with the necessary skills and experience, encouraging team input and fostering a sense of ownership, consistent communication during the task assignment process, implementing follow-ups to ensure task completion, how to use clickup to delegate tasks – step-by-step, tools and features of clickup for task assignment, unique features of clickup that simplify task assignments, assigning tasks to people outside clickup and its benefits, here’s how clickup can help, boosting employee engagement and improving overall team morale through strategic task assignment, assign tasks efficiently with clickup.

Understanding Task Assignment

Assigning tasks to team members, also known as task assignment, means distributing the workload for a project or goal among team members based on their expertise, availability, trust, and roles. This ensures tasks are completed efficiently and on time.

Assigning tasks isn’t just about checking boxes. It is about organizing your work toward the bigger picture.

Tasks are standalone work items, and sub-tasks are sub-ordinate components that are more granular but essential to completing the larger task.

Let’s understand this in detail with an example.

For a marketing department, the main goal for a quarter might be to ‘Launch a new social media campaign.’

Now, this main task needs to be broken down into sub-tasks. The following table shows a list of sub-tasks:

Launch a new social media campaignCreate campaign strategyDevelop strategy, goals, and target audienceMarketing Manager
Design visual contentCreate graphics and visualsGraphic designer
Write copyWrite engaging posts, ads, and promotional contentContent writer
Schedule postsSchedule posts across various platformsSocial media coordinator
Monitor engagementTrack and analyze campaign performanceSocial media analyst
Adjust strategyMake adjustments based on engagement dataMarketing Manager

By breaking down tasks into sub-tasks, team members can work more efficiently and ensure that every aspect of the overarching goal is covered.

While understanding the relationship between the two, it is significant to know that tasks and sub-tasks differ from each other on different levels, such as hierarchy, scope, tracking, ownership complexities, and dependencies.

How about being handed a goal to boost your team’s productivity by 50%? Sounds like a frustrating instruction, right? Especially when the instructions are clear as mud and as realistic as expecting your cat to do your taxes.

But here’s the thing—when you assign tasks well, they automatically become a cheat code for team productivity.

Let’s break it down:

  • Workload balancing: It’s not about playing favorites. Spread tasks based on skills, not just reliability. Sure, Karen always delivers on time, but if she’s drowning in work while others twiddle their thumbs, you’re asking for a burnout city
  • Clear roles: When everyone knows what each one is supposed to do, half the job is done. Confusion? Gone. Accountability? Through the roof
  • Sense of ownership : When you delegate clear tasks that each team member can handle, you can see they own it like a boss. There is less confusion and more motivation
  • Adaptability : Effective task assignments should consider changing circumstances and allow for shuffles on the fly. This keeps your team productive even when curveballs come your way
  • Collaboration : A good task assignment is like hosting a great party—it gets people talking, which means you can visibly notice your team chatting, sharing knowledge, and solving problems together

Task allocation and delegation are often used interchangeably. They might sound like twins but are more like cousins with very different personalities.

Task Allocation

Task allocation involves looking at the bigger picture and fitting the right pieces together by matching skills to tasks, balancing workloads across teams, and aligning tasks with project goals.

For example, you might have multiple tasks to host a successful company event, such as deciding on the venue, catering, and sending out guest invitations.

These tasks are allocated to different people according to their roles and expertise. The logistics coordinator might handle venue booking, the operations manager could oversee catering, and the marketing team might take charge of guest invitations.

Delegation

Delegation means empowering team members, developing their skills and confidence, and freeing up your time for larger goals rather than just checking off your to-do list.

For instance , if you delegate venue booking to the logistics coordinator, you trust them to book the venue and handle negotiations and contracts with the vendor. This approach encourages a sense of ownership among team members because they own the outcome, not just the task.

The best project managers know how to do both effectively. They switch between allocation and delegation with the same goal in mind: creating a high-performing team that crushes goals.

Effective Strategies and Tips for Assigning Tasks to Team Members

Effectively assigning tasks to team members is crucial when managing multiple projects with tight deadlines and teams spread across different locations.

While this process may seem daunting, ClickUp , a project and task management tool , can help bring order to the chaos. It allows you to plan, organize, and collaborate on any project.

ClickUp Tasks , for instance, gives you a clear overview of tasks, assignments, and progress, helping you keep your entire team aligned and projects on track.

ClickUp Tasks

Here’s how you can use it:

  • When creating a task, you can assign it to a specific team member directly. Click the plus icon in the upper-right corner of someone’s box and the task will be automatically assigned to them
  • Distribute tasks evenly among team members based on their skills and expertise. You can consider deadlines, priorities, and individual capacity to optimize productivity

What’s more? ClickUp Brain provides prompts for assigning employee tasks strategically.

For example:

  • Prompt 1: Create a task assignment plan for a new project, considering each team member’s strengths and availability. Include a timeline and dependencies between tasks
  • Prompt 2: Devise a task distribution strategy that balances workload based on skills and expertise
  • Prompt 3: Generate a task allocation roadmap for complex projects, outlining responsibilities for each team member

Setting clear goals and objectives is the bullseye for an organization. It keeps your team members on track without distracting them and always keeping them aware of their priorities.

To simplify this, you can define task assignments using the SMART goals (Specific, Measurable, Achievable, Relevant, and Time-bound) framework.

ClickUp’s SMART Goals Template is designed to help you create and track goals for yourself and your team.

Set goals for yourself and your team with ClickUp’s SMART Goals Template

With this template, you can:

  • Create custom statuses , such as ‘Crushing It’ or ‘Off Track,’ that speak your team’s language
  • Add up to 12 different custom fields to make your goals super measurable. It’s like giving your goals a report card!
  • See your goal progress at a glance
  • Turn big, scary goals into bite-sized tasks . Suddenly, ‘increase revenue by 50%’ becomes a series of doable steps
  • Use the board view to see if your goals are achievable. It’s like a bird’s-eye view of your project landscape
  • Set milestones to keep everyone on track and use automation to speed things up. It’s like having a personal assistant for your goals

Not all tasks are created equal. You may need to work on a task because it has suddenly become a priority for the CEO (importance) or because there is an approaching deadline (urgency).

ClickUp’s Task Management Template helps you effortlessly visualize and organize the tasks based on their priority, status, and department.

Achieve project visibility and see who’s assigned to a particular task with ‌ClickUp's Task Management Template

This template organizes your to-dos with three lists: Action items, ideas, and a backlog flagged based on priority . This means you get a clear overview of the main tasks to focus on in the same category without spending too much time.

ClickUp’s Task Assignment template has all the built-in tools to help teams:

  • Categorize tasks by status, priority, or department
  • Visualize task progress using intuitive interfaces
  • Monitor workflows based on team capacity
  • Optimize processes for efficiency
  • Seamlessly collaborate with teams to schedule, assign, and complete tasks

It is important to assign tasks that  align with each team member’s strengths and skills . When  delegating tasks , consider not only their expertise but also their willingness and capacity to perform them.

Look into previous projects or tasks where team members excelled. This will give you insights into their capabilities and how they can contribute to new assignments.

Pro tip 💡 : While matching tasks to skills is essential, consider delegating tasks that can help team members grow. This can enhance their skill set and prepare them for future responsibilities.

Project management works best when team members don’t work in silos. Everyone should understand each other’s responsibilities and contributions. It’s all about working together towards a shared goal that’s bigger than any individual task.

Give your team tasks they’re excited about and confident in. This helps them feel a sense of ownership and accountability. Be a collaborative leader by encouraging them to step up and provide the necessary tools, like training and resources. This boosts team morale and makes everyone more engaged and productive.

It is necessary to maintain consistent communication throughout the task assignment process. Explain ‌task details, expectations, and deadlines; encourage team members to ask questions and seek clarification.

Using async collaboration to your advantage is the way to go. Integrating team communication tools with your work management system to boost efficiency is the easiest way.

To make communication efficient and easy when assigning tasks, use ClickUp Assign Comments .

ClickUp Assign Comments

This feature allows you to instantly assign comments to team members and reassign or resolve them directly within any task workflow. This ensures that all communication related to a task stays organized in one place, preventing essential details from slipping through the cracks.

Most tasks are not one-and-done. A quick follow-up can serve as a regular check-in to review task progress. Other follow-ups might be needed to confirm dependencies are being addressed, ensuring timely completion.

ClickUp’s Reminders make follow-ups easy. To define what needs follow-up, simply set reminders as smaller action items. You can delegate reminders or create your own.

ClickUp Reminders

Reminders let you define the time and date you want to be reminded about, even add files related to the task, and customize how and when you would like to be notified, such as:

  • On due date
  • 10 minutes before
  • 1 hour before
  • Custom…
  • Don’t notify

You can choose to delegate, delete, or mark reminders as done once the follow-up task is completed.

Pro Tip 💡 : Use these features alongside customizable ClickUp Dashboards that help prioritize tasks, track progress, and improve project performance.

Here are some more features offered by ClickUp that can help with assigning tasks:

1. Collaborative whiteboard

ClickUp’s Whiteboard allows your team members to brainstorm ideas and ideate workflows or roadmaps by simply dragging and dropping objects.

The best part is your teams can coordinate ‌tasks in real-time.   Everyone can see the activity and work closely as a team. They can add more clarity by adding notes, linking to tasks, files, docs, and more.

2. Automating tasks

ClickUp Automation can significantly enhance your workflow by automating repetitive tasks and streamlining processes.

ClickUp Automation

Automations can help with the following:

  • Status-based automations: Configure ClickUp to perform specific actions when statuses change. For example , Automation can automatically assign a task to the team leader and send them an email when the status changes to ‘Completed’
  • Dynamic assignees: Keep your Automations flexible by assigning tasks to the task creator, watchers, or the user who triggered a specific action
  • Automate assigning tasks: Post comments, change statuses, move task lists , and just about everything else

3. Email inbox

We all know how cluttered our mailboxes can get. At any given time, you might see 12,860 emails flashing at you when you open them. The primary, social, and updates tabs aren’t helping. So, do you have to dig through a mountain of unwanted emails to find updates on your tasks? The answer is a resounding NO!

ClickUp’s Inbox simplifies your work and helps you get to the tasks that are at the top of your priority list without hassle. It also offers:

  • Centralized hub: All your work communications are in one place, so everything runs smoothly
  • Highlight important notifications: A separate inbox that filters out the noise and highlights your most important notifications, allowing you to focus on what matters most
  • Contextual workflow: You can view tasks and notifications side-by-side, giving you the context needed to tackle your work efficiently

4. Comprehensive chat

Seamless communication is the backbone of any project’s success. But without context, comments such as ‘What is the update?’ can often throw you off. ClickUp’s Chat unifies communication under one roof, letting you share updates, link resources, and collaborate.

You can also:

  • Assign tasks: Use @mentions to bring anyone into the conversation and assign comments to ensure work is moving without any distractions
  • Include links and embeds: Group attachments conveniently within the tasks by embedding webpages, spreadsheets, videos, and links for quick access
  • Format easily: Format your comments easily as bulleted lists and banners; you can even use /Slash Command shortcuts to save time on formatting

You can assign tasks to individuals outside the organization who act like external collaborators for a short-term project. This is how it works:

  • Email or messaging:
  • Communicate task details via email or messaging platforms
  • Clearly outline responsibilities, deadlines, and any relevant information
  • Use descriptive subject lines to ensure recipients understand the urgency
  • Shared documents:
  • Create shared documents (e.g., Google Docs, Microsoft Word) to outline tasks
  • Include task descriptions, due dates, and assignees
  • Share the document link with external team members
  • Task summaries:
  • Regularly provide task summaries or updates
  • Use concise bullet points to highlight progress, challenges, and next steps
  • Ensure external team members receive these summaries promptly
  • Collaboration tools:
  • Explore collaboration tools accessible to both ClickUp users and external team members
  • These platforms allow task assignment and tracking even for non-users

Some of the benefits of assigning tasks to people outside ClickUp:

  • Clearly defined tasks ensure that everyone knows their responsibilities. External team members understand their role and can contribute effectively
  • Task assignment facilitates communication about progress, updates, and challenges. External collaborators receive timely information via email, messaging, or shared documents
  • Proper task allocation prevents duplication of efforts. Resources (time, skills, tools) are used efficiently
  • External team members can participate without needing ClickUp access. Collaboration tools bridge the gap between ClickUp users and non-users

Overcoming challenges in task assignment

Assigning tasks to team members can be significant for team leads and project managers. Keeping teams motivated and engaged while ensuring tasks align with each member’s strengths is critical for maintaining a balanced workload and preventing burnout.

These are some of the common issues faced during the assignment of tasks:

  • Miscommunication : A lack of context about the task being delegated can seem  similar to a relay race where the baton must be passed seamlessly
  • Over-delegation: It can spread team members too thin, making it challenging to keep up with everything
  • Micromanaging : Leads to a waste of time due to a lot of time spent on follow-ups and managing progress
  • Lack of integration: This means there is no streamlined process to minimize back-and-forth communication
  • Task types and categories: ClickUp allows you to define task types and categories. Task types describe specific characteristics of tasks (e.g., ‘Design,’ ‘Engineering,’ ‘Marketing’), while task categories group related tasks together (e.g., ‘Team Building,’ ‘Sales’). By organizing tasks this way, you can avoid miscommunication and ensure clarity
  • Priority levels: ClickUp provides five priority levels (ranging from low to urgent) for tasks. Color-coded priorities help you and your team quickly identify and act on tasks that need immediate attention
  • Checklists : Use checklists within tasks to break down complex assignments into smaller steps. You can even assign checklist items to team members, ensuring clear responsibilities and preventing over-delegation
  • Track time: ClickUp’s Time-Tracking allows employees to add time entries for each task with notes on their activities. This is especially helpful for freelancers or part-time employees paid by the hour, helping to measure billable hours and productivity accurately
  • Integration capabilities: ClickUp Integrations allows seamless communication and data sharing across platforms. This integration helps mitigate the lack of integration challenge

Here are some ways you can be mindful of improving employee engagement while assigning tasks to team members:

  • Align tasks with personal growth goals: Talk to your team members about their career aspirations and assign tasks that align with their development goals
  • Rotate challenging projects : Do this by distributing work across teams, finding pockets of interest that excite each team member, and seeing how their goals change over time. This can prevent monopolization of exciting work and gives everyone a chance to shine
  • Implement peer-to-peer task sharing: Take team collaboration one notch up by encouraging team members to delegate sub-tasks to each other. Pair experienced team members with those looking to develop new skills. This builds trust, encourages collaboration, and develops leadership skills at all levels
  • Create cross-functional opportunities : Make a conscious effort to collaborate across departments to broaden perspectives, build empathy, and create a more cohesive company culture
  • Allow for task crafting : Make it flexible for team members to organize tasks better to suit their working style or interests within reason. This autonomy can significantly boost engagement
  • Transparent task attribution: Ensure individual contributions are highlighted when presenting completed projects. This recognition boosts morale and encourages future engagement

Triston Casas Set to Begin Rehab Assignment in Worcester

Ahead of MLB's Trade Deadline on July 30, clubs around baseball are looking to make a splash as the sport enters the final third of the regular season.

In their own way, the Worcester Red Sox are among the teams to add talent.

Boston Red Sox first baseman Triston Casas is set to begin a rehab assignment with Worcester on Tuesday as the club opens a six-game homestand with the Buffalo Bisons at Polar Park.

Casas was placed on the 10-Day Injured List on April 21 after injuring his midsection on a swing the previous night. Six days later, the 24-year-old was transferred to the 60-Day IL due to the severity of the injury.

The prognosis was a tear in the cartilage between his rib cage and sternum––a common injury for an athlete playing football or hockey, but not baseball. Typically, athletes subjected to frequent physical contact are more likely to sustain this type of injury. In Casas’ case, his massive 6’5”, 244-pound frame and quick, violent swing made his circumstance unique.

“(The doctor) pretty much chalked it up to me being so big, rotating so fast, so many times that I created a car crash within my body,” Casas told reporters in late April. “It was a matter of time before this happened. He said it was something similar to like a pitcher needing Tommy John, just an inevitable thing that was going to happen sooner or later.”

Recently, Casas’ recovery has ramped up with Chief Baseball Officer Craig Breslow announcing last week that the former first rounder had begun taking full batting practice. Now, his return to Alex Cora’s lineup appears imminent––but first, he’ll be penciled into Chad Tracy’s.

It is unclear how long Casas’ rehab assignment with Worcester will be, but his recent progress has been encouraging.

Before sustaining his injury on April 20, the Florida native was batting .244/.344/.513 with six home runs in 22 games for Boston. His performance follows a breakout 2023 campaign when he slashed .263/.367/.490 with 24 home runs, 65 RBIs, and 70 walks––good enough to finish third in American League Rookie of the Year voting.

Registering a team-leading .857 OPS last season, Casas became the first Red Sox rookie to top the category since Fred Lynn in 1975. He also joined Ted Williams as the only Red Sox to belt at least 25 home runs and draw 75 or more walks in their first 140 career games. Casas is the first big leaguer to do so since Juan Soto in 2018-19.

Prior to making his Major League debut with the Red Sox on September 4, 2022, Casas appeared in 81 games for Worcester, posting a .269/.382/.482 line with 12 home runs, 45 RBIs, and 23 doubles. When he makes his return to Polar Park, he is sure to bring plenty of fanfare to an already packed week in the Canal District.

Include a dial-in number and conference ID so that participants can call in to the Teams meeting. If you schedule the meeting from Outlook, the dial-in number and conference ID automatically appear in the scheduled meeting invite. For how to add these details when scheduling in Teams, see  Add a dial-in number for a meeting in Teams.

Assign categories to a meeting

Color code your calendar with categories. Just like in Outlook, you can assign one or more categories to each meeting in your calendar. There are a couple ways to assign categories:

Right-click an event in your calendar.

The Categorize icon.

Select a color.

You can also categorize a meeting when you schedule it by selecting Category at the top of the scheduling form.

Note:  Channel meetings can't be categorized.

Invite people outside your organization

Teams lets you invite people outside your organization, including those who don't have a Teams license. You'll need their full email address to invite them.

Create a meeting or open an existing one in your Teams Calendar.

Teams add member to chat

Type the person's full email address (ex: [email protected]).

The meeting link will appear as a URL. Select Copy  to copy the URL.

Add a co-organizer

After you've invited people to your meeting, you can add up to 10 co-organizers to help manage your meeting. Before adding co-organizers, make sure the people you want to add are already added as required attendees and then follow the steps below:

Make sure the people you want to add as co-organizers are invited to the meeting.

Settings button

Select Save .

Note:  To learn more, see Add co-organizers to a meeting .

Make it a channel meeting

Type the name of a channel in the  Add channel field.

Channels can't be edited or added once the invite is sent. You'll need to send a new invite with the updated channel.

Note:  When you have a meeting in a channel, everyone in the team will be able to see it and join it in that channel. This feature isn't available in private channels.

Once you've added the people you want, select Scheduling Assistant to find the best time.

If it's a recurring meeting, open the dropdown menu next to Does not repeat (just below the date). Choose how often you want it to occur from the default options or select Custom to create your own cadence.

Schedule meetings in a channel calendar

If you're unfamiliar with how to add a calendar to a channel, the steps are outlined for you at See all your meetings in Teams . Once that's done, you have a few ways to add events to the shared calendar.

Teams button

Add other attendees who are outside the team you scheduled the meeting in.

Select Send .

When you select Send , everyone in the team you scheduled the meeting for will receive a personal invite.

If you added guests and partners from outside your org, they won't have access to the channel calendar.

Right-click for more options

Right-click an event in your calendar to:

Fluent 2 edit icon small

Show as to set the status that will reflect on participants calendars during the meeting time if they RSVP to accept the meeting.

Join a meeting

Teams meetings will show a join button on an event in your calendar five minutes before the start of a meeting. Once someone joins the meeting, the event will change colors to let you know they're online.

Select Join to open the meeting settings window to confirm your preferred camera and mic settings before joining the online meeting.

Note:  If you have overlapping meetings in your calendar, the join button won't be available. But you can still right-click the event and select Join online .

Reschedule a meeting

In your Teams calendar, you can reschedule meetings and events you organized. To quickly update a meeting time, select in in your Teams calendar, drag it into a new timeslot, and drop it.

Screenshot of dragging and dropping Teams meeting into new timeslot

You'll be notified of invitees' availability before you update the meeting time.

You can also change the meeting time by opening the meeting details, choosing a new time, and selecting Send update . Attendees will automatically receive a notification with the updated time.

Set your Show As status in a Teams meeting

As an organizer, you can set the Show As status of the meeting in the action bar. When participants RSVP, their status will automatically reflect the status the organizer set.

As a participant, you can choose to set your individual status for the meeting through Show As independent of the status set by the organizer. The updated status will reflect on your calendar. The default Show As value for all the meetings an organizer schedules is Busy .

You can set your Show As status in several ways:
