Additionally, it aims to persuade the hiring manager to consider you for the role.

Therefore, a strong job application letter serves as your ultimate gateway to your dream job.

  • Components of a Job Application Letter

To draft an outstanding application you need to follow the right step to write a letter. Therefore, here are the key components that you should follow:

Include your contact information and the date at the top of the letter, followed by the employer’s contact details.

Begin your letter with a formal greeting to the hiring manager. It’s best to address the letter with the name of the hiring manager. For this, it’s advisable to call the company and ask for the hiring manager’s name as it would look professional. Alternatively, use a generic salutation like “Dear Hiring Manager”.

Craft a standout introduction to build that positive impression from the start of your letter. Your introduction should highlight your relevant skills, experiences, and achievements that make you a suitable candidate for the job.

Highlight what value you can bring to the company with this position. Talk about why you’re the perfect fit for the job; this way, you can showcase your professional skills and stand out from other applicants.

Express your enthusiasm for the position and reiterate your interest in the opportunity. Also, thank the employer for considering your application. End the letter with professional closing for example: “Yours sincerely”, “Best regards”, or “Thanks for your consideration”, followed by your name and signature.

  • Tips on How to Write a Job Application Letter

what is a job application letter

Customize your application letter for the job; formally, it’s best to follow the key components that we discussed above. This way, you can tailor your application letter to each job, highlighting the qualifications and experiences most relevant to the position.

Show your understanding of the company and its values in your application letter as this shows that you are aware of what the company does, and your genuine interest in the position.

Tips for writing an effective letter, sample job application letter, sending an email application, review more letter examples.

Do you need to write a letter to apply for a job? Most of the time, the answer is yes. Even when employers don’t require a job application letter , writing one will help you highlight your skills and achievements and get the hiring manager’s attention. The only time not to send one is when the job listing says not to do so. It can help, and it definitely won't hurt to include an application letter with your resume.

A job application letter, also known as a cover letter , should be sent or uploaded with your resume when applying for jobs. While your resume offers a history of your work experience and an outline of your skills and accomplishments, the job application letter you send to an employer explains why you are qualified for the position and should be selected for an interview.

Writing this letter can seem like a challenging task. However, if you take it one step at a time, you'll soon be an expert at writing application letters to send with your resume.

Melissa Ling / The Balance

Before you begin writing your job application letter, do some groundwork. Consider what information you want to include, and keep in mind that space is limited.

Remember, this letter is making a case for your candidacy for the position. But you should do more than just regurgitate your resume. Instead, highlight your most relevant skills, experiences, and abilities.

Analyze the Job Posting

To include the most convincing, relevant details in your letter, you'll need to know what the employer wants.

The biggest clues are within the job advertisement, so spend some time decoding the job listing . Next, match your qualifications with the employer's wants and needs.

Include Your Most Relevant Qualifications

Make a list of your relevant experience and skills. For instance, if the job ad calls for a strong leader, think of examples of when you've successfully led a team. Once you've jotted down some notes and have a sense of what you want to highlight in your letter, you're ready to start writing.

Writing Guidelines for Job Application Letters

Writing a job application letter is very different from a quick email to a friend or a thank-you note to a relative. Hiring managers and potential interviewers have certain expectations when it comes to the letter's presentation and appearance, from length (no more than a page) and font size to style and letter spacing . Keep these general guidelines in mind, but always stick to any explicit instructions in the job listing or application portal.

Length: A letter of application should be no more than one page long. Three to four paragraphs are typical.

Format and Page Margins: A letter of application should be single-spaced with a space between each paragraph. Use 1-inch margins and align your text to the left, which is the standard alignment for most documents.

Font: Use a traditional font such as Times New Roman, Arial, or Calibri. The font size should be between 10 and 12 points.

What to Include in Each Section of the Letter

There are also set rules for the sections included in the letter, from salutation to sign-off, and how the letter is organized. Here's a quick overview of the main sections included in a job application letter:

Heading: A job application letter should begin with both your and the employer's contact information (name, address, phone number, email), followed by the date. If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature.

  •   Header Examples

Salutation: This is your polite greeting. The most common salutation is "Dear Mr./Ms." followed by the person's last name. Find out more about appropriate cover letter salutations , including what to do if you don't know the person's name or are unsure of a contact's gender.

Body of the letter: Think of this section as having three distinct parts.

In the first paragraph , you'll want to mention the job you are applying for and where you saw the job listing.

The next paragraph(s) are the most important part of your letter. Remember how you gathered information about what the employer was seeking, and how you could meet their needs? This is where you'll share those relevant details on your experience and accomplishments.

The third and last part of the body of the letter will be your thank you to the employer; you can also offer follow-up information.

Complimentary Close: Sign off your email or letter with a polite close, such as "Best," or "Sincerely," followed by your name.

  • Closing Examples

Signature: When you're sending or uploading a printed letter, end with your handwritten signature, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.

  • Signature Examples

Overwhelmed by all these formatting and organization requirements? One way to make the process of writing a job application easier is to use a template to create your own personalized letters. Having a template can help save you time if you are sending a lot of application letters.

Be sure that each letter you send is personalized to the company and position; do not send the same letter to different companies.

  • Always write one. Unless a job posting explicitly says not to send a letter of application or cover letter, you should always send one. Even if the company does not request a letter of application, it never hurts to include one. If they do ask you to send a letter, make sure to follow the directions exactly (for example, they might ask you to send the letter as an email attachment or type it directly into their online application system).
  • Use business letter format. Use a formal business letter format when writing your letter. Include your contact information at the top, the date, and the employer’s contact information. Be sure to provide a salutation at the beginning and your signature at the end.
  • Sell yourself. Throughout the letter, focus on how you would benefit the company. Provide specific examples of times when you demonstrated skills or abilities that would be useful for the job, especially those listed in the job posting or description. If possible, include examples of times when you added value to a company.

Numerical values offer concrete evidence of your skills and accomplishments.

  • Use keywords. Reread the job listing, taking note of any keywords (such as skills or abilities that are emphasized in the listing). Try to include some of those words in your cover letter. This will help the employer see that you are a strong fit for the job.
  • Keep it brief. Keep your letter under a page long, with no more than about four paragraphs. An employer is more likely to read a concise letter.
  • Proofread and edit. Employers are likely to overlook an application with a lot of errors. Read through your cover letter, and if possible, ask a friend or career counselor to review the letter. Proofread for any grammar or spelling errors.

Mark Smith Human Resources Manager Veggies to Go 238 Main Street Portland, Maine 04101

Dear Mr. Smith,

I was so excited when my former coworker, Jay Lopez, told me about your opening for an administrative assistant in your Portland offices. A long-time Veggies to Go customer and an experienced admin, I would love to help the company achieve its mission of making healthy produce as available as takeout.

I’ve worked for small companies for my entire career, and I relish the opportunity to wear many hats and work with the team to succeed. In my latest role as an administrative assistant at Beauty Corp, I saved my employer thousands of dollars in temp workers by implementing a self-scheduling system for the customer service reps that cut down on canceled shifts. I also learned web design and timesheet coding, and I perfected my Excel skills.

I’ve attached my resume for your consideration and hope to speak with you soon about your needs for the role.

Best Regards,

Elizabeth Johnson (signature hard copy letter)

What Is an Application Letter?

Application letters are business letters  that are commonly attached before a document such as resumes. These are used by an individual to introduce him/herself to the probable employers and prove to them why he/she is suitable for the job or position.

How to Write an Application Letter

An application letter is an important tool that you often add along with your resume. The letter explains the reason for sending the resume to a hiring company or business. To wow your future employers, here are steps to writing an application letter.

Step 1: Preparation

Do your research. This way it would be easier to relate your actual skills to the requirements of the job application . Employers or screening personnel have a watchful eye on applicants who show effort in getting background check about the company which shows the interest the applicant has for the company or institution.

Step 2: Requirements vs Skills

Matching your skills to the requirements of the application is a great way to feature to employers why you are a perfect suit for the job or requirement. The example business analyst  application letter shown on the page shows such a comparison mentioning the requirements for the application example and the writer filling it with the skills that he has.

Step 3: Short and Concise

An employer usually does not have a lot of time and is more likely to read a short but concise letter rather than a detailed but professional cover letter . Make sure to include certain keywords or points in the letter that is sure to catch the attention of the employer such as key skill requirements. You may also see business reference letter .

Step 4:  Perfect Fit

There is a reason why the position is open for application and you are here for it. Refer to your list of accomplishments and skills. This would accentuate why you will be very useful to the company or organization and how it will also be advantageous for you to be in the company. You may also like two weeks notice letter .

What to include in an email when applying for a job?

These parts are all essential in writing the body of your application letter. Take note of these details to provide yourself a concrete content that would answer all of the critical questions that companies are curious about. The purpose of your writing, the position you are applying for, the qualifications you have for the job, this includes the skills and work experiences , and the medium that the company can contact you.

What are the sections of an application letter?

Introduction, this part of the letter explains why you are writing. In the Scholarship Grant Application Letter sample shown in this page, the writer can be seen introducing himself and the reason or purpose why he is writing. The body of the letter describes the details behind the purpose of the letter. Lastly, the conclusion usually contains a brief summary of the points being presented in the letter.

What is the purpose of an application letter?

The main purpose of an application letter is for employers to obtain verifiable information about job seekers, such as their contact information, skills, qualifications, employment history, etc. For job seekers, it is an opportunity to attract the employer’s attention so that they can grant the job seeker an interview.

What is the difference between application letter and cover letter?

An application letter is a stand-alone document that contains in-depth information about a job seeker’s skills and qualities. A cover letter is submitted alongside other documents, and it encourages the hire to read an applicant’s resume.

Every application letter is different depending on what it is exactly the writer is applying for. There are numerous examples of applications on this page that can be used as a reference or as-is for your next application letter whether for a marketing plan or a business application. What to include in your cover letter PDF.

Stick to these four simple steps for a persuasive cover letter. Hiring managers are always busy, so choose an attractive PDF template and use Adobe Acrobat online editing tools to customise your cover letter for every job application.

1. Introduction .

Ensure that you use the proper greeting by researching the name of the person who will read your cover letter if it’s not stated in the vacancy post. It’s much more impressive for them to find an application addressed personally. If you can’t find this, address them by the title ‘Hiring Manager.’

In your introduction, clarify why you are writing, including which position you’re applying for. Then, give a succinct description of why you think the job is perfect for you and how it aligns with your career path.

Example: Dear Hiring Manager,

I am writing to express my interest in applying for the position of Office Assistant at The Paper Factory. The prospect of assisting fellow workers in their office activities greatly appeals to me. The Paper Company has a tremendous reputation within this industry and my aim has always been to work there. I believe my excellent organisation and project management skills make me an ideal candidate for this role.

2. Why you are the right candidate for this position.

Of course, the reader won’t just take your word for it. In the second paragraph, prove how you’re the right person for the job by listing your most relevant work experience and interests.

Your CV will probably be exhaustive, but in your cover letter, you should only use those elements that have a direct bearing on this job. You may have an excellent degree, but for a job in a pet shop, you might want to highlight your three summers spent volunteering at the zoo instead. Use your storytelling skills to illustrate a time you overcame hurdles at work, a deal you brokered or a team success.

Example: My last position was as a receptionist for a marketing start-up. It was a fast-paced and dynamic environment that helped me to strengthen my multitasking skills. Prior to this, I worked as an assistant to the regional manager at Stationery Shack, a role which introduced me to the world of office management.

3. Why you want to work at this company.

Companies aren’t interested in why you are looking for work, but they are interested in why you are looking to work for them.

Your third paragraph can drill down into what impresses you about this company and why you are qualified for this particular role. Don’t forget to match the company ethos with your skills and experiences.

Example: I’m comfortable working independently and as part of a team. My role in Stationery Shack trusted me to regularly act on my initiative. As a result, my problem-solving abilities are strong and I can keep composed in potentially tricky situations. I know that the company offers development training to help assist employees in upskilling too. Working for a company that believes in my ability to progress and climb the ladder would give me tremendous confidence and motivation.

4. Wrapping up.

Thank the hiring manager for their consideration and reiterate your desire to continue the conversation. Finally, remind them of any attachments, such as your CV and use the correct sign-off. Use ‘Yours sincerely’ if you address the hiring manager by name and ‘Yours faithfully’ if you do not.

Example: Thank you for considering my application. I look forward to hearing back from you.

Yours faithfully,

Martin Scott

Cover Letter PDF Template - Fillable Fields Guide

Adobe also has cover letter templates that only require applicants to fill in the blank fields. The missing words depend on the position, industry and company related to the job for which you are applying. In this particular example, the applicant would have little to no experience in the role they’re trying to obtain. As anyone who has been in such a position before knows, it’s a tricky situation to navigate. However, with this no-experience cover letter template and the fillable fields guide below, it’s a task that couldn’t be more straightforward.

Note: This template is editable on Acrobat once exported to PDF. You will be able to remove the lines and numbers before adding in your own information.

  • Insert your name.
  • Insert your email address.
  • Insert your phone number.
  • Insert the date on which you're applying.

  • List the second quality that make you an ideal candidate for this position.
  • List the third quality that make you an ideal candidate for this position.

Benefits of using a cover letter PDF.

So, why should you use a cover letter PDF?

  • It shows you are a serious contender . Using a PDF looks more professional and can be read across all computers and operating systems. Serious applicants write a cover letter that seeks to persuade and impress the reader.
  • You are translating the raw material of your CV into a personalised, bespoke application . If your CV is a sort of biography, your cover letter makes it a compelling story, highlighting the most important chapters. Telling a story means that you can flex your creative skills and write about relevant experiences that come alive. That being said, don’t just report dry facts.
  • Demonstrate your research and communication skills . If you have shown genuine interest in the company and researched many interesting or inspiring facts, you can demonstrate this knowledge in the cover letter. Someone who has considered the company’s culture stands out as someone looking to build a career with that company. Although you should always write in a professional manner, a cover letter allows your personality and your enthusiasm to shine through.

Should my cover letter be a PDF?

It’s easy to write cover letters on Word or other word-processing documents, but the formatting, pictures, fonts and appearance may not load on the hiring manager’s operating system. Sending your cover letter and CV as a PDF will ensure that what you see is what you get and your efforts will be appreciated by whoever sees them.

What are the benefits of using PDF templates?

Businesses frequently use PDFs because they are versatile and virtually future-proof. They look consistent and feature embedded elements such as images, logos and fonts that are easily readable across all operating systems. Although PDFs are fixed for the reader, you can still edit your cover letter with Adobe Acrobat. Use password protection so only you can make changes.

A done and successful deal is the primary goal when you apply for something you want, whether it is jobs, admissions, or loans. You can avail of our wide variety of ready-made templates. They are available in A4 and US letter sizes and appropriate formats according to the intended purpose. What is an Application Letter

An application letter is a formal document that expresses an interest coming from the writer. Whether a person applies for loans, scholarships, employment (the letter usually comes with creative resumes), job positions, or promotions. It should contain the necessary information of the writer to warrant a reply. It needs to include contact details, but most importantly, it must politely convey intentions and solicit a response from the companies and people you are sending it to.

How to Make an Application Letter in PDF

1. justify and apply proper spacing.

Aesthetics is the first thing that catches the attention. Having a penchant for a little bit of organization and presentability through justifications, block paragraphing, and adequate spacing helps a lot. No one would even dare to continue looking at something when spacing is unsymmetrical. The top priority is to get people to read your letter, and the first step is that the letter should be recognized at first glance. Also, having that prim and proper outlook shows the meticulousness of the writer as he or she pays attention to the fine details that matter. Who knows? You may get the appointment letter that you're hoping to receive.

2. Create Eye Candy Borders

The human eye gets tired most times, and sometimes the application letters you sent are already part of a stacked pile together with the rest. It is also helpful to add some variety to the letter by adding borders that either directs the eyes to a particular focus and mixing it with calm and soothing colors. So that it helps the reader retain attention and relieve tired eyes. When you put this into consideration, you have already invited the reader to read through your letter.

3. Use Friendly Fonts

Just like business cards, a mixture of bubbly fonts and pointy ones creates a blend of invitation and seriousness. Again, just like the previous tips, the goal is to get first the attention of the reader. Although application letters are commonly formal, it is also essential to take note that it expresses a little of the writer's personality.

4. Say Your Points Clearly

When you already have the interest of the reader, it is significant that his or her reading time is well spent. Thus, say your intentions clearly and straight makes it readable and easy to comprehend (similar to that of a letter of intent). No need to complicate as it is vital to relay what you need to say. Keeping it short, simple, and direct is the key to establish quick and fruitful communication. Your application letter is not an academic essay.

5. Have a Singe Idea in Every Paragraph

Although a letter shouldn't have too many paragraphs, it is vital not to create confusion by having just one idea in each paragraph. Other than saying your points clearly, they have to be well organized and appropriately given an avenue to be relayed in each section. Cramping the information will lose the interest of the reader. Imagine your bosses crafting a detailed memo. Ideas have to be clear, and if not, there will be misunderstandings, so your application must avoid being confusing.

6. Have a Polite Tone

Being outright demanding to the reader is already intimidating. That is why you must keep it courteous. Just like any gentleman or lady talking about their own intentions politely, there is a sense of respect and inviting for a further chit-chat when you establish the tone. Always open and close with a smile. Who knows, your reader might happily smile back, and you have to send a thank you letter in return.

How to Use “Thru” in Addressing a Formal Letter: A Complete Guide

  • by PatrickTurner
  • October 19, 2023

Welcome to our blog, where we’re here to help you navigate the ins and outs of proper letter writing etiquette. In today’s digital age, it’s easy to overlook some of the finer details when composing a formal letter. One commonly asked question is: “Can I use ‘thru’ instead of ‘through’ in addressing a formal letter?” Well, you’re in luck because we have all the answers you’re looking for!

But before we dive into the specifics of using “thru” in a formal letter, let’s address a couple of related questions. Are you unsure about your grammar skills and want to double-check your writing? Or maybe you’re curious about some common sentence errors and sentence patterns? We’ll cover all of that and more. Plus, we’ll give you tips on how to improve your grammar and sentence structure in general.

So, whether you’re drafting a business letter, a cover letter, or any formal communication, sit back and relax as we guide you through the proper usage of “thru” and equip you with the tools to enhance your overall writing proficiency. Let’s get started!

How can I use thru in addressing a formal letter?

How to Incorporate “Thru” in Formal Letter Addressing

In the quest for efficient communication , the English language has often embraced abbreviations and contractions. One such example is the word “thru,” which is derived from “through.” While some may dismiss it as a casual abbreviation, using “thru” in addressing a formal letter can be acceptable in specific contexts. Let’s delve into the guidelines on how to effectively use “thru” without compromising the formal tone of your letter.

Embrace Clarity: “Thru” vs. “Through”

When considering the usage of “thru” in a formal letter, it is vital to clarify who the intended recipient is. The level of formality, cultural norms, and the recipient’s personal preferences should guide your choice. While “thru” may present a quicker way to convey a message, using “through” would be the safer option in traditional formal letters. Be sure to weigh your decision carefully to avoid any unintended misunderstandings or perceptions.

Gauge the Context

It’s essential to gauge the level of formality needed in your correspondence. Formal letters, such as those addressed to government officials or in business contexts, generally require a more traditional approach. In such cases, using “thru” may not be well-received or considered appropriate. However, if you are addressing a close colleague or someone with whom you have a friendly relationship , using “thru” might be more acceptable. Remember, it’s crucial to accurately assess the context to avoid any misinterpretations.

Consider the Nature of the Formality

The degree of formality can vary in different settings. For instance, in a professional email, the use of “thru” may be more acceptable compared to a physical letter. Email communication has become more relaxed over time, and people tend to prioritize efficiency over formality. However, if you’re drafting a letter for official purposes or to a prestigious organization, err on the side of caution and opt for the conventional “through” instead.

Weigh Your Relationship with the Recipient

Your relationship with the recipient plays a significant role in determining whether it is appropriate to use “thru” in a formal letter. If you enjoy a casual rapport with the person you’re writing to, such as a long-time acquaintance or a cooperative colleague, using “thru” may be acceptable. However, if you are unsure or not well-acquainted with the recipient, it is advisable to adopt a more formal tone and stick to the complete word “through.”

The Art of Balancing Formality and Friendliness

When writing a formal letter, it’s essential to strike a balance between formality and establishing a friendly tone. While incorporating “thru” can add a touch of informality, it should be done with utmost care. Remember to maintain the overall professional tone of the letter and ensure that using “thru” does not undermine the sincerity and respect you wish to convey. It’s always better to err on the side of caution and choose more traditional words and phrases to preserve the letter’s formal integrity.

Using “thru” in a formal letter can be a tricky decision to make. By carefully considering the context, level of formality, your relationship with the recipient, and the perceived appropriateness within the designated field, you can determine whether it is appropriate to employ this abbreviation. Always prioritize clarity, respect, and maintaining a professional demeanor in your correspondence. Now that you’re armed with this knowledge, tread the world of “thru” with caution, dear writer!
