No one likes job hunting . Scouring through online jobs boards , spiffing up your resume, prepping for grueling interviews — none of it’s fun. But perhaps the most challenging part of the process is writing an effective cover letter . There’s so much conflicting advice out there, it’s hard to know where to start. Indeed, in an age of digital communication, many might question whether you even need a cover letter anymore.

In many instances, a cover letter is the first element of your job application that your prospective employer will read, often ahead of your CV . For that reason, it’s vital that you get it right – and that means knowing how to write a cover letter that will grab the recruiter’s attention for all the right reasons.

A poorly crafted cover letter that fails to clearly articulate why you are the ideal candidate for the role, or one containing bad grammar and spelling mistakes, will result in your application getting dispatched to the reject pile. But a good cover letter can work wonders in convincing an employer of your credentials and your professionalism, as well as providing insights into your personality and character.

If there’s no name, or you’re applying speculatively, use LinkedIn, Twitter or Facebook to research and find the name of the relevant person (preferably someone within HR or a director or manager within the department you’re applying to).

Before you start writing, find out more about the company and the specific job you want. Look at the company’s website, its executives’ Twitter feeds, and employee profiles on LinkedIn. Do some research beyond reading the job description. Knowing the company better also helps you decide on the right tone to use in your cover letter. Think about the culture of the organization you’re applying to. “If it’s a creative agency, like a design shop, you might take more risks but if it’s a more conservative organization, like a bank, you may hold back.” 

3. Choose your best bits

The next step in writing a cover letter is to summarize your main skills and experience, condensing the most compelling parts of your resume and highlighting your skills as they relate to the specific requirements of the job advert . If you can show that you possess the exact skills, experience and qualities they’re looking for, that will go a long way towards earmarking you as a top candidate.

Most importantly, make clear exactly what YOU can offer THEM, and how you can contribute to their business success.

4. List your other skills

Outline any general skills you think are relevant to the role, such as communication and interpersonal skills, problem-solving abilities and organizational strengths. Use dynamic verbs such as ‘collaborated’, ‘motivated’, ‘managed’ and ‘analyzed’ to help convey your points and add an air of professionalism.

5. Finish with a ‘call to action’

Job Application Letter How to Write? While applying for a job, one of the most important steps is to compose a cover letter, also called a job application letter. Not only does it introduce you to potential employers, but it also emphasises the reasons why you are the most suitable candidate for the post. A letter of application for a job should be written in the following manner:

1. Header and Contact Information

Job Application Letter Start with your contact information at the top of the letter:

  • Your Address
  • Your Phone Number
  • Your Email Address
  • Employer’s Contact Information (Name, Title, Company Name, Company Address)

2. Salutation

Begin your letter with a professional greeting:

  • If you know the hiring manager’s name, address them directly (e.g., “Dear Mr. Smith”).
  • If you do not know the name, use a general greeting like “Dear Hiring Manager” or “To Whom It May Concern”.

3. Opening Paragraph

Job Application Letter: The goal of the opening paragraph should be to get the employer’s attention. It is the time of the year when we make resolutions, some of which could be getting a new job. Some are out of work not because of their own making but because of the effects of the long lockdown. Writing application letters can be a daunting task and in most cases ends in despair. Nothing is as painful as not getting feedback from a prospective employer. I remember last year, I wrote to the New Vision through their Guest Writer email but I have never received a reply from an institution that makes us believe in transparency and professionalism. If we received replies, perhaps we could learn from mistakes in previous attempts and therefore improve – but that is not the case in Uganda.

As teachers especially in private schools, it is around this time that we are asked by even our own employers to re-apply. I can imagine the confusion one goes through when you see an advert on social media calling for applications in a subject you teach posted by the same school you serve. But you are not alone. I for one applied for teaching jobs for four years from 2004 to 2007 without success. That frustration is what gave birth to my hustle (E-zone Internet cafe and E-zone School of Computing ) when I gave up on applying for jobs.

It is now out of experience that I write this simple guide to help our young brothers and sisters out there with the hope that this year their job search becomes easier.

The sections of an application letter

Sometimes we make mistakes when writing application letters when we leave out some sections of what is regarded as a standard letter. It is good to include all the sections since the application letter covers the gaps that an employer may need just in case they don’t read your CV. This letter must explain in brief about you and why you think you are the best candidate. In case that a prospective employer reads it, they are tempted to visit your CV and gradually an invitation for an interview. The following should be included in your letter.

  • Your address
  • The date of writing the letter
  • Prospective employer’s details
  • Ref with position detail
  • An introductory paragraph explaining the purpose of the letter
  • A paragraph describing your skills that meet the job you are applying for
  • A paragraph describing any other skills that may be of help
  • A paragraph about personal attributes
  • A conclusion stating your availability for an interview or further inquiries about you
  • Your salutation

Choice of fonts, font size and font color

While word processors have a variety of fonts, it is important to to stick to basic fonts when writing an application letter. Curly and fancy fonts may look cool to you but are a big turn off in the eyes of prospective employers. Personally, I have found fonts like Calibri, Century Gothic, Times New Roman and Tahoma good enough. It is advisable to avoid fonts like Brush Script MT, Cooper Black, Comic Sans, Algerian e.t.c.

The size of fonts would be ideal if it is between 11 and 14. Font sizes below 11 will give most people a hard time to read while those above 14 make the document appear more of a poster than an official letter.

Finally, stick to black for font color. Anything outside that is a big no.

Keep your letter brief.

Imagine you are an employer and you have hundred of letters to read through before you make a choice. How hectic it would be to read through a 2 or 3 page application dozens of times. Chances are that in the midst of this variety, employers will prefer to go through one page documents while looking for information that best suits the type of candidate they wish to employ.

I strongly advise to put all the best of your experience, skills and competencies in a one page letter that will quickly catch the eye of your prospective boss. However, being brief does not mean creating a document that doesn’t bring out the best in you. Some people are too brief that they will only write 2 paragraphs, 1 asking for the job and the second hoping for a positive reply. In this case, no employer takes you serious.

Avoid slang

The use of slang in our day to day communication should not overrun you and apply it in an application letter. You have to use as much good English as is acceptable, after all, you have spent atleast 15 years under classes whose main mode of instruction is in English.

You don’t have an excuse for writing broken English neither should you use street language in formal communication.

Ask someone to proof read for you

We can’t know it all even when we are talking about ourselves. It is therefore good if you could get someone more experienced than you to go through your application letter. There could be a few details to polish before sending it to a prospective employer.

One more tip! Do some research about the school and job

While writing an application letter to a prospective employer, it is good if you made some background search about the institution. Including a small detail about them like I did in the second last paragraph of my sample will certainly put you among the top candidates to invite for an interview.

The job search in Uganda is a full time job. Don’t despair when you don’t get feedback after several tries. I personally tried for four years and still failed. But now, I am battle hardened and with that comes a lot of wise information that could be of help to you. With the tips above, I highly believe that this year’s search will be easier, – don’t forget to share!

What is a cover letter?

A cover letter, also known as a covering letter or application letter, is a one-page document that introduces a job seeker’s work history, professional skills, and personal interest in applying for a job.

Although it might seem old-fashioned in 2021, cover letters are still necessary .

The purpose of your cover letter is to expand upon the achievements in your resume, showcase your personality, and explain why you’d be a good fit for the company. Overall, your cover letter (paired with your resume) helps managers and recruiters screen your job application.

What to include in your cover letter

When writing your cover letter, use the following basic structure:

  • Introduction: Carefully written to grab the hiring manager’s attention, and explain why you want the job.
  • Body paragraphs:  At least two paragraphs detailing your relevant education, skills, work experience, and why you’re a good fit for the position.
  • Conclusion:  A concise ending that reiterates your strengths, and asks the hiring manager to contact you (known as a call to action).

When it comes to writing a perfect cover letter, job seekers tend to have many questions.

What should I put in my cover letter? How exactly should I say it? How much detail should I include?

Step 1: Put your contact details (and the employer’s) in the header

Contact Details

At the top of your cover letter, type your:

  • First and last name
  • Email address (make sure it’s professional, and not [email protected])
  • Phone number
  • Mailing address (optional)
  • Linkedin profile link (optional)

Under your contact details, you should then type:

  • Today’s date
  • The first and last name of the person you’re writing to, or the relevant department
  • The company’s address
  • The company’s phone number
  • The hiring manager or company’s email address

Here’s an example of how that looks, depending on the template you choose:

Step 2: Address the hiring manager by their name

Opening Salutation

Make a great first impression by addressing your cover letter directly to the reader. Robotic and impersonal greetings like “ To Whom It May Concern ” or “Dear Sir or Madam” come off as lazy and insincere.

Not sure who to address? Try checking the company website, searching Linkedin, or even calling or emailing human resources to ask. If you’re still having problems addressing your cover letter, follow these tips:

  • If you’re not certain about the recruiter’s title (like Mr., Mrs., Ms., Dr., etc.,) you can drop it from your cover letter salutation . For instance, “Dear Jane Smith” is acceptable.
  • If you can’t figure out who the recruiter is, you can guess. For example, if you’re applying for a marketing position, you can address the marketing director by name instead.
  • If you can’t find anyone’s name, you can address it to the department. For instance, “Dear Marketing Department” is okay.

Step 3: Hook the hiring manager with a strong introduction

Intro Paragraph

Job seekers often worry about how to start a cover letter , but it’s actually quite straight-forward. An effective cover letter introduction simply includes the following:

  • Job position: The name of the position you’re applying for
  • Company name: The name of the company you’re applying for
  • Intention to apply: An enthusiastic announcement that you’re applying for that position

If your cover letter introduction has those three elements, you’ll successfully hook the hiring manager into reading more. Here’s an example of an acceptable cover letter introduction:

However, we recommend that you make your introduction even more attention-grabbing by adding some personality, passion, or a major career highlight. You shouldn’t be afraid to let some of your unique personality quirks shine through in your cover letter. But be sure to strike the right tone, and don’t be weird.

Step 4: Prove that you’re the perfect candidate for the job

Body Paragraphs

Next, it’s time to make a convincing argument that you’re the right person for the job. To write your body paragraphs well and sell yourself as the perfect candidate, remember three main points :

  • Be bold, but don’t brag: A strong cover letter conveys confidence. If you’re able to provide evidence for a claim (like how you’re the best candidate for the job), include that evidence in your cover letter.
  • Be honest, and don’t embellish: Don’t lie or even stretch the truth about your experience, because getting caught could devastate your career. Don’t worry, you’ll get a job with the experience you already have.
  • Don’t include irrelevant information: Your cover letter should directly target the job and company you’re applying for. Your cover letter (and resume) should respond to the job posting, referencing the skills and qualifications required for the role.

  • Professional achievements : Did you exceed targets for production, sales, revenue, profit, customer satisfaction, or any other business objectives?
  • Professional praise : Have you received compliments from management or colleagues for your work?

  • Academic (and other) achievements : Do you have a degree (bachelor’s, master’s, or PhD?) Is your GPA above 3.5, and did you receive awards like cum laude , magna cum laude , summa cum laude ? Did you land a scholarship? Did you complete a thesis?
  • Extracurricular activities : Have you done any part-time work, or been involved in volunteering, student government, clubs, athletics, theater, or other activities? Do you pursue hobbies and interests?
  • Self-motivation and goal setting : What are the short and long-term goals you have, and how does the job you’re applying for fit in with them?

Remember that any of the information you include should be relevant to the job you’re applying for . For instance, your theater club experience will have no relevance for an accounting job, unless you were the treasurer.

  • Choosing simpler forms of words, like “helpful” instead of “advantageous”

The following information makes your cover letter unprofessional, and may even invite discrimination from your potential employer. Delete any of the following:

  • Personal information, such as family, religion, sex, or gender
  • Salary information, such as former salary, or future salary expectations
  • Questions and inquiries, such as ones about company benefits or job expectations. If you need to know, ask in an email outside of your application, or during the interview process.
  • Information copy-pasted from your resume, such as bullet point sentences or skills lists. Instead, reference information from your resume in your cover letter naturally, and expand on it.
  • Photos, like a professional headshot. If you’re a US-based job seeker, headshots are not necessary for the vast majority of jobs.

Don’t only use spell check and scan the page for typos, because you’re likely to miss mistakes, especially flow-related ones. Here are two quick tricks professional editors use to catch sneaky mistakes and make good edits:

  • Read your cover letter out loud: Doing this will force you to consider every word, sentence, paragraph, and piece of punctuation. Plus you’ll catch hard-to-read sentences, and can then adjust them as necessary.

What is a resignation?

A resignation refers to method/ process of terminating an employment contract at the instance of an employee, through a written notice. It is an effective and acceptable manner for terminating an employment relationship and discharges both parties from their respective contractual and statutory obligations.

Is resignation voluntary?

Resignation is normally voluntary and exercised pursuant to the inherent freedom of an employee to contract. However, resignation may in some circumstances be deemed to constitute constructive dismissal.  This is when the contract of service is ended by the employee, with or without notice, as a consequence of unreasonable conduct on the part of the employer towards the employee as provided for in  section 65(c) of the Employment Act, 2006.  I n this case, the employee resigns not as a result of free will but because of some form of coercion or influence.

Does an employee have to give notice upon resignation?

An employee resigning from his/ her employment contract is required to give a minimum notice period of between two weeks to 3 months in accordance with section 58 (3) of the Employment Act, 2006.

The above mentioned notice periods are the minimum statutory notice periods but the applicable contracts of employment could provide for longer notice periods. The above notice periods will generally not apply in cases of constructive dismissal.

Can an employee resign with “immediate effect” during disciplinary proceedings?

Sometimes, employees against whom disciplinary proceedings have been commenced against, may opt to resign with “immediate effect” in a bid to avoid an adverse finding of guilt and therefore the imposition of a potential career derailing sanction of a dismissal/ summary dismissal. However, submitting a resignation letter does not immediately terminate an employment relationship. The employee will have to provide the employer with notice of their intention to resign. This means that the employee remains an employee of the employer until the notice period expires and disciplinary action can still be pursued against such an employee during their notice period. The parties can however decide to have a negotiated exit in such a case in the best interest of both parties.

What is termination according to Ugandan law?

Termination of employment is the act of ending an employment relationship between the employee and employer. A contract of employment is like any other commercial contract and may come to an end.

According to S.65 of the Employment Act, termination of a contract of employment is deemed to take place under the following circumstances:

  • where the contract of service is ended by the employer with notice;
  • where the contract of service, being a contract for a fixed term, ends with the expiry of the specified term and is not renewed within a period of one week from the date of expiry;
  • where the contract of service is ended by the employee with or without notice, as a consequence of unreasonable conduct on the part of the employer toward the employee.

Under what circumstances does termination prevail?

Economic dismissal/Redundancy: Usually it is unreasonable for an employer to keep you employed if they can no longer financially sustain you. Economic dismissal consists of realigning employment structure, reduction of offices, staff, etc., to make the company more sustainable. The question that normally arises here is how fair the process is, to avoid issues of bias, victimization, etc. Generally, the employer has a right to re-size the scope of his business. Economic dismissal usually triggers the obligation to compensate, therefore, must be stipulated in the contract and if not, then the employer must be reasonable.

By notice: The general principle at common law is that either party to a contract can bring it to an end by giving notice to the other. Once notice is given, it cannot be withdrawn unilaterally but rather, with the knowledge and consent of the other party to whom it was directed. The length of notice to bring a contract to an end should be agreed to by both parties. If no notice is expressly agreed then the law- requires that ‘reasonable notice should be given, with the length depending on factors such as the seniority and status of the employee.

58(3) (a) provides that the notice period should not be;

  • Less than two weeks, where the employee has been employed for a period of more than six months but less than one year;
  • Less than one month, where the employee has been employed for a period of more than twelve months, but less than five years;
  • Less than two months, where the employee has been employed for a period of five but less than ten years; and
  • Less than three months where the service is ten years or more.

Termination by death or insolvency: 29 of the Employment Act provides that where the employer’s personal or legal position formed the basis of the employment relationship with the employee, the death of an employer shall cause the contract of service to terminate one month from the employer’s death unless it is otherwise legally terminated within the period.

S.30 of the Employment Act is to the effect that the bankruptcy or winding up of the employer’s business shall cause the contract of service of any of the employees to terminate one month from the date of the bankruptcy of winding up order.

Termination by the expiry of contract: Under S.65 (1) (b) of the Employment Act, termination shall be deemed to take place where the conduct of service, by being a contract for a fixed term or task, ends with the expiry of the specified term or the completion of the specified task and is not renewed within a period of 1 week from the date of expiry on the same terms not less favorable to the employee.

Termination by the labour officer: This arises when the employer fails to pay wages and the employee complains to the labor officer, the contract can be declared as terminated by the labor office on application by the employee that the employer has failed to pay wages under S.31(1) of the Employment Act.

What are some of the remedies for wrongful termination/dismissal?

Once the dismissal of an employee has been found to be unlawful by the court, the next question then becomes what remedies accrue thereto;

  • Generally, damages are the most likely remedies that the court will grant. An employee who is unfairly dismissed should be compensated adequately in accordance with the law. Except where statutory damages are stipulated, the rules and principles that govern the award of damages in civil cases are entrenched in the common law.
  • A person who is wrongfully dismissed can also mitigate his or her damages by obtaining alternative employment.
