Closing Date:  Open Until Filled Location: 3100 Martin Luther King Jr SE Washington, DC 20032 Brief Description of Duties The Workforce Development and Lifelong Learning Division (WDLL) is a division of the University of the District of Columbia. Incumbent functions as an Administrative Assistant to the assigned Pathway Director/unit within WDLL. The administrative assistant performs the following duties:

Essential Duties and Responsibilities

  • Provides administrative support to ensure efficient operation(s) of assigned unit and WDLL division, as applicable.
  • Efficiently manages unit-specific and division-wide (as applicable) phone calls, scheduling meetings, and supporting visitors, Students, Instructors, partners, and UDC and WDLL Staff.
  • Assists with unit/pathway-specific student admissions, monitoring, tracking, and follow-up processes to support all WDLL Students success.
  • Carries out administrative duties such as filing, word-processing, copying, binding, scanning etc. and maintaining all division-wide policies and procedures.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Exhibits polite, professional, and effective communication via phone, e-mail, and mail.
  • Supports team by performing and adhering to all unit and division-wide policies, procedures, and expectations.
  • Assists and collaborates with all division-wide support units (i.e., facilities team, career services, admissions, academic advising) to ensure proper operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Maintains unit-specific supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Participates in coordinating and supporting unit specific and division-wide activities and events (e.g., open houses, information sessions, career/advising events, etc.)
  • Assists and serves as back-up support in collaboratively ensuring that all pathway specific classrooms, office spaces, and general meeting areas throughout the division/campus are always prepared and ready for use.
  • Performs other duties as assigned.

Minimum Job Requirements

  • High school diploma or equivalent required. College preferred.
  • Minimum of three years of administrative experience required.

Residency Preference: A person applying for a position who is a bona fide District resident at the time of application for the position, may be awarded a 10-point residency preference over non-District applicants, unless the person declines the preference points. If selected, the person shall be required to present no less than 8 proofs of bona fide District residency on or before the effective date of the appointment and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation.  The determination of a "satisfactory background investigation" is made at the sole discretion of the University of the District of Columbia.  The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
