What is a Cover Letter? 

A cover letter is a one-page document that you submit as part of your job application, alongside your resume . 

Its purpose is to introduce you and briefly summarize your professional background. On average, your cover letter should be from 250 to 400 words long .

A good cover letter can give the hiring manager more insight into what makes you a good candidate and help them make up their mind about whether they should invite you for an interview. A bad cover letter, though, will get ignored (at best) and lose you the job (at worst).

So, to make sure this doesn’t happen, it’s essential to know how to write a convincing cover letter.

The first thing to remember is that a cover letter is a supplement to your resume, not a replacement. Meaning, you shouldn’t just repeat whatever is mentioned in your resume and call it a day. 

Optimally, you should use your cover letter to shed more light on your skills and qualifications, as well as explain anything you didn’t have space for in your resume (e.g. a career gap or why you’re changing careers).

If you’re writing a cover letter for the first time, though, putting all this together might seem pretty tough. 

Fortunately, you can follow our tried-and-tested format to make the experience much easier:

  • Header - Input your contact information.
  • Greeting the hiring manager - Open the cover letter with a “Dear Sir or Madam,” or use the hiring manager’s name if you know what that is.
  • Opening paragraph - Grab the hiring manager’s attention by getting straight to the point. Mention what your professional experiences are, and what role you’re applying for.
  • The second paragraph - Explain why you’re the perfect candidate for the job. Mention your top 2-3 achievements, your top skills, why you want to work in that specific industry, and whatever else is relevant.
  • The third paragraph - End your cover letter with a call to action. E.g. “I would love to meet personally and discuss how I can help Company X.”
  • Formal closing - Something like this: “Thank you for your consideration. Best, John Doe.”

9 Tips to Write a Cover Letter (the Right Way)

Now that we've covered the basics, let's talk about cover letter tips . Below, we'll give you all the knowledge you need to take your cover letter from "OK" to "great."

#1. Pick the right template

A good cover letter is all about leaving the right first impression.

And what’s a better way to leave a good impression than through a professional, well-formatted, and visual template?

#2. Add your contact details on the header

The best way to start your cover letter is through a header. 

Here’s what you want to include there:

  • Phone Number
  • Name of the hiring manager / their professional title
  • Name of the company you’re applying to

Optionally, you can also include the following:

  • Social Media Profiles - Any type of profile that’s relevant to your field. Social Profiles on websites like LinkedIn, GitHub (for developers), Medium (for writers), etc.
  • Personal Website - If you have a personal website that somehow adds value to your application, you can mention it. Let’s say you’re a professional writer. In that case, you’d want to link to your content portfolio site or blog.

#3. Greet the hiring manager the right way

Once you’ve listed all your relevant contact information, it’s time to address the hiring manager reading your cover letter. 

A good practice here is to find the hiring manager’s name and address them directly instead of using the traditional “dear sir or madam.” This shows that you’re really invested in the company and that you took your time to do some research about the job.

So, how can you find out the hiring manager’s name?

One way to do this is by looking up the head of the company’s relevant department on LinkedIn. Let’s say you’re applying for the position of Communication Specialist at Novoresume. The hiring manager is probably the Head of Communications or the Chief Communications Office.

Or let’s say you’re applying for the position of server at a restaurant. In that case, you’d be looking to find out who the restaurant manager is.

If this doesn’t work, you can also check out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

If you still can’t find out the hiring manager’s name, here are several other greetings you can use:

  • Dear [Department] Hiring Manager
  • Dear Hiring Manager
  • To whom it may concern
  • Dear [Department] Team

#4. Create an attention-grabbing introduction

Recruiters get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The problem with most cover letter opening paragraphs, though, is that they’re usually extremely generic, often looking something like this: 

Hey, my name is Jonathan and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a sales manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

As you can probably tell, this opening paragraph doesn’t tell the hiring manager anything other than that you’ve worked the job before - and that’s not really helpful in setting you apart from other candidates. 

What you want to do, instead, is start off with 2-3 of your top achievements to really grab the reader’s attention. Preferably, the achievements should be as relevant as possible to the position. 

For example:

My name’s Michael and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked with Company X, a fin-tech company, for 3+ years. As a Sales Representative, I generated an average of $30,000+ in sales per month (beating the KPIs by around 40%). I believe that my previous industry experience, as well as my excellence in sales, makes me the right candidate for the role of X at Company Y.

The second example shows how the candidate is a top performer. The first just shows that they’ve worked a sales job before.

#5. Show you’re the perfect person for the job

One great thing about cover letters is that they allow you to expand more on the top achievements from your resume and really show the hiring manager that you’re the right person for the job. 

A good way to do that is to first read the job ad and really understand what skills/experiences are required, and then to ensure that your cover letter touches upon the said skills or experiences.

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $20,000+. As the sole digital marketer at the company, I managed the ad creation and management process end-to-end. This means I created the ad copy and images, as well as picked the targeting, ran optimization trials, and so on.

#6. Explain why you’re a great company fit

The HR manager doesn’t only look at whether you’ll be good at the job or not. They’re looking for someone that’s also a good fit for the company culture.

After all, employees that don’t fit in are bound to quit, sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary . 

To convince the hiring manager that you’re a great company fit, do some research on the company and find out what it is you like about them, or about working there. You want to know things like:

  • What’s the company’s business model?
  • What’s the company's product or service? Have you used it?
  • What’s the culture like? Will someone micro-manage your work, or will you have autonomy on how you get things done?

Then, turn your top reasons for liking to work there into text and add them to your cover letter! 

#7. Wrap up with a call to action

To make the end of your cover letter as memorable as possible, you want to:

  • Wrap up any points you couldn't in the previous paragraphs. Mention anything you’ve left out that you think could help the hiring manager make up your mind.
  • Thank the hiring manager for their time. After all, it never hurts to be polite. 
  • Finish the cover letter with a call to action. A call to action is a great way to make your cover letter ending as memorable as possible. 

#8. Write a formal closing

Once you’re done with the final paragraph, all you have to do is write down a formal “goodbye” and you’re good to go.

Are you on the hunt for a summer internship or job? You will most likely need to include a cover letter when you apply, in addition to a resume and references . When you're applying for summer positions, it's important to show the hiring manager how you're qualified for the position and what you have to offer the employer.

Here's everything you need to know to prepare that piece of correspondence, from what to include to how to send it, along with an example of a summer internship cover letter that you can use for inspiration while writing your own. 

Work Experience and Skills

In your  cover letter , you should include your previous employment (internships and work) experience and two or three examples of the relevant skills you gained. I

Educational and Extracurricular Activities

If you only have limited related employment experience, you can include examples from your coursework, school projects, extracurricular activities, and volunteer work.

How You're a Fit for the Job

Your goal is to provide the hiring manager with an understanding of how your personality, background, and skills will translate into making you a strong employee or intern. So, include information that demonstrates how your abilities align with the role itself.

Your resume lists your skills, and your cover letter highlights how you have put those skills to use.

The following is a sample cover letter for a summer job or internship. Remember to omit the contact information from the header for emails. You can tailor it to fit your experiences and the position for which you are applying.

Depending on the application process, you will either send your letter in written form or by email. 

If you are  emailing your cover letter , you will need to be clear in the subject line about the contents of the message. For example, the subject, “Sarah Campbell’s Cover Letter: Summer Journalism Internship,” is straightforward and will allow the hiring manager to file it appropriately.

For emailed cover letters, there's no need to include contact info in the heading. Instead, begin the message with the salutation. You can add your phone number and email address below your closing.

You could apply for more jobs, more thoughtfully thanks to artificial intelligence.

Applying online for jobs could be a more simple process with a helping hand from AI.

The global shift to remote work and the  Great Resignation  opened up the job market. But today's conditions have swung the power back into the hands of corporations, with mass  layoffs  and hiring freezes. Way more competition in the market makes securing a new job a harder, longer progress.

Applying for a job is arduous and time-consuming, and it's tempting to use the fast apply button and attach a generic cover letter to every application -- but that's not going to get you hired in this market. But it's also not realistic to carefully craft a new cover letter for every job, when you're up against thousands of applicants. 

There's a third option: Use artificial intelligence to customize your cover letters. Save time, stand out in a saturated market and get yourself an interview. 

The AI tool I used to try this out is ChatGPT, which wowed the world when it was released in November 2022 (you can read our hands-on review of ChatGPT as well as Gemini , Copilot and Perplexity on CNET's AI Atlas hub). If this is your first time using AI, it makes sense to start with the tool that made AI mainstream. 

Here's how to use ChatGPT for the job. I'll walk you through the process, prompts and productivity tips (and a potential problem to watch out for) to enhance your applications and your chances. 

Creating a custom cover letter

If you've ever tried to write a cover letter before, it's hard enough to summarize your entire career on a single page, let alone customize it for each job role.

Your resume presents your hard skills, and your cover letter showcases your soft skills -- the ones you can mold with keywords to fit what a company is asking for in its job ad. 

Getting set up with ChatGPT

You'll need an account with ChatGPT, the job application, your resume and a previous cover letter, if you have one. 

You can use a free version of ChatGPT like me or pay $20 per month for added features like the most recent models , priority access during peak usage and image generation. 

The initial prompt

Your first prompt can be something like: "Can you please help me write a cover letter for the role of reporter on the autos team of The Wall Street Journal? Here is the job description: [paste job description] And here is my resume: [paste resume]."

Immediately, I saw a big problem with my first attempt: ChatGPT had hallucinated . It mixed up some of my experience, correctly noting publications I've written for and topics I've reported on, but wrongly -- very, very wrongly -- with made-up stories (see yellow highlights). 

If I change nothing else in my cover letter, I'm certainly going to fix that.

Cover Letter 1

The cover letter was also too long for my liking, so you could either give ChatGPT a word limit or ask it to remove certain things.

Next, I also asked ChatGPT to highlight the top five keywords to use in my cover letter for a reporter role in the autos team at The Wall Street Journal, and here's what I got:

I then asked ChatGPT to include these keywords in my cover letter. I chose my top three. 

Prompt: "Remove the five bullet points and incorporate the following keywords into my experience: Scoops, breaking news, and business and financial reporting."

We're slowly getting there.

Cover Letter 2

Given that the role requires tech and financial reporting experience, I pushed ChatGPT to focus on my work at NerdWallet and past reporting at the MIT Tech Review. 

Prompt: "Emphasize my experience reporting on emerging tech and personal finance for outlets like NerdWallet and MIT Tech Review."

Cover Letter 3

With a solid base, now I could tweak the tone. It still didn't feel like me, and I wanted it to be tighter but more conversational and eloquent. 

Prompt: "Rewrite in a more conversational tone, with shorter sentences and no repetition. Eloquent, exciting, and worldly."

This style prompt cut it back by 30%, to this:

You can continue chipping away at it in ChatGPT, but I did my final tweaks manually, threading my personality through it. 

Finishing up

Copy the content into a separate Word or Google document to tweak the language to suit your voice. For example, change "Dear Hiring Manager" to "Dear [company] hiring team" and remove weird lines you'd never actually say, like "is a prospect I relish." And be sure to scan through for any other oddities ChatGPT might have hallucinated.

Here was my final ChatGPT plus me version. I pulled out the brand work because it's a reporter role and jazzed it up to my liking.

While the tone of what ChatGPT returns for your cover letter should emulate your personality, you can dial it up or down to match the company's voice, vibe and vision. Let ChatGPT show you off, then all you need to do is shape it, style it and send it off.

If you spent your summer working in retail, scooping ice cream, or answering front desk calls, you may not think about including that on your resume. But don’t worry, you can use any work experience to build out your resume, if you do it the right way.

Highlight transferable skills

Start with the  the job description . Once you have an understanding of all the required skills, think about which ones you used at your summer job. Many of the skills you learned at your summer job can be transferred to a position that is more directly to your career path.

Show off soft skills

Every job will require that you have so-called soft skills like communication and time management.  Highlight the soft skills you learned —for example, managing multiple tasks simultaneously or communicating with a challenging customer.

Talk about your impact

Megan Malcolm, an Early Career Recruiter at Handshake, says, “Focus on the impact you made in bullet points, not the day to day activities of the job.” In addition to the skill-based bullet points, include some examples of an impact or unique contribution you made in your role.

Talk about it in your cover letter

Keep your  cover letter  short (2-3 paragraphs) and put your experience in context with your other work. For example, you could say, “As a member of the debate club, I thought I had great communication skills, but I didn’t learn to apply them at work until I worked as a summer camp counselor.” Keep these stories in mind for your interviews, too!

This as-told-to essay is based on a conversation with Ume Habiba , a 22-year-old college student at the University of Maryland. It's been edited for length and clarity.

I landed software engineering internships at JP Morgan , Cisco Meraki , Estee Lauder, and Microsoft — all before my senior year of college. But it wasn't academic successes or technical prowess that landed me these internships.

I created an authentic brand that shows recruiters who I am.

I started volunteering to teach basic coding in high school

In high school, I knew I wanted to pursue a career in tech, so I attended a two-week web development camp at Kode With Klossy , a free coding camp for teen girls. I fell in love with their mission to make tech more inclusive for underrepresented communities and knew I wanted to bring that advocacy to my career. The next year I became an assistant instructor, teaching hundreds of young women the basics of HTML, CSS, and Javascript .

Going into college at the University of Maryland, I continued volunteering with Kode with Klossy while pursuing a degree in information sciences with a minor in computer science.

My internship at JP Morgan was completely unexpected

I spent my freshman year focusing on my studies, but during my sophomore year, I decided to attend my university's virtual career fair . I wasn't planning on pursuing an internship that summer, but I wanted to dip my toes in the water and see what the job landscape looked like. I unexpectedly hit it off with a JP Morgan representative who resonated with my passion for inclusion .

Related stories

Although he wasn't a recruiter, he told me I'd be a great fit for their software engineering summer internship and gave me a link to apply. So, I did. Every time I finished a step in the application process, I messaged him on LinkedIn, and he advocated for me to the recruiters.

After an expedited interview process, thanks to my internal connection, I received an offer to work out of the Wilmington, Delaware, office the summer after my sophomore year. It wasn't necessarily the glamorous city I'd hoped for, but it was an opportunity I couldn't pass up.

I took another internship provided by Kode With Klossy at Estee Lauder in their software engineering department. The first half of my summer was spent at JP Morgan, and the second half was spent at Estee Lauder, with only one week of chaotic overlap between the two.

I started building my brand on LinkedIn

I was doing so much that summer, so I shared my volunteer, internship, and professional updates on LinkedIn . I saw the platform as an underutilized professional development space and used its chain-reaction algorithm to garner attention as a force in tech and DE&I.

I posted three times a week, including internship achievements, visits to Kode With Klossy camps, and key takeaways from each week's Kode With Klossy speaker series. I focused less on curating impactful or pretty posts and more on keeping my network up-to-date with my milestones.

As more people reached my profile, I wanted to make my brand unmistakable. I added DE&I to my career headline, got a professional headshot for my profile picture, and wrote an extensive bio that told the story of who I was and what initiatives I cared about. I was scared of my commitment to LinkedIn being cringey, but the near-immediate payoff made it worth it.

LinkedIn landed me my next internship

Within weeks of building my LinkedIn presence, recruiters from notable companies like Oracle, HubSpot, and Cisco Meraki started filling my DMs with job offers. I hopped on calls with every recruiter, regardless of my interest in pursuing a job with them, to build industry connections.

A recruiter from Cisco Meraki asked me to apply for a full-time software engineer role. I told them I was still in college but would be interested in any internship opportunities . Within a month, I locked in an internship with them for the summer after my junior year.

I continued posting on LinkedIn throughout that year, accepting more recruiter interviews and building my network.

I've adapted my résumé for AI

I applied to the Microsoft internship program four times before landing it this summer. I'm sure that my LinkedIn presence and growing number of professional experiences helped my chances. Still, I don't think I could've gotten the job without drastically changing my résumé .

Résumés these days are parsed through AI software before even landing in the hands of a recruiter, so I optimized my résumé for AI by removing color and shaving it down to one page.

I also ditched the "about me" section and only included my GPA upon request. I used the extra space to add more quantitative data about my tangible impacts at a given company. In my experience, numbers have always been more alluring to recruiters than a huge chunk of text.

Most importantly, I did to my résumé exactly what I did to my LinkedIn: embodied a brand and told a story. My résumé isn't just a highlight reel of my most flashy achievements: it shows meaningful experiences representing my mission for inclusion in tech.

I used GitHub to prep for my Microsoft interview

I didn't hear back from Microsoft for months after applying for its internship until I stumbled on an unexpected email telling me I'd moved on to the final round of interviews. I was immediately skeptical of its legitimacy because I hadn't even done a phone screening or online assessment. After doing what any normal human would do — consult Reddit for advice — I hesitantly accepted an interview scheduled a few weeks later.

I was told to prepare for two 45-minute interviews, one of which was behavioral and the other was a coding test . Many people like  LeetCode  for coding prep, but I went to the  GitHub  repository, which has every Microsoft-specific problem broken down into explainer videos. I prefer having a step-by-step breakdown of how someone approached a problem.

I also ensured I went into the interview knowing exactly what I wanted. I confidently told them about my passion for DE&I and requested to work in  back-end engineering . In fact, I told them if they only had an offer for the front end, don't hire me. I got an internship offer the next week.

My brand is my biggest strength

All of my successes come down to my commitment to my brand. Everything from my LinkedIn to my résumé tells a story of my career and personal aspirations. Even in my interview with Microsoft , my confidence in who I am and what I want shines through and makes me a unique candidate.
