When you are not eligible for an  electronic Travel Authorization (eTA) , you will need to apply for a  visitor visa (TRV) . In that case, your friend or family living in Canada may help you in the process. Indeed, they can write a Letter of Invitation where they will attest to the fact that you will be staying with them during your stay in Canada.  Keep in mind that having a Letter of Invitation does not necessarily mean your application will automatically be approved.  This article will let you know what the requirements for the Letter of Invitation are, and offer you the possibility to download a sample for your use.

How to Write a Letter of Invitation for a Visitor Visa Application to Canada

Do you need to write a letter of invitation for a family member or a friend applying for a visitor visa to Canada? If you’re not sure what to write, here’s a guide on how to make one and an actual sample that I used when I applied for my mother’s visitor visa. I also included a template that you can use so you don’t have to start from scratch.

What’s a letter of invitation, 3 things you should know before writing an invitation letter, what to include in the invitation letter for a visa to canada, sample letter of invitation.

If you’re in Canada and you have a family member or friend applying for a visitor visa to Canada, IRCC usually requires that they submit a letter of invitation from you. In case you’re not familiar with IRCC, the name stands for Immigration, Refugees, and Citizenship Canada. It’s the government department that processes immigration requests, and that includes visitor visa applications. 

There are two different kinds of a visitor visa to Canada: the visitor visa, and the parent & grandparent super visa. Super visa is a “special” type of visitor visa where the holder is allowed to stay in Canada for up to 5 years straight. For a typical visitor visa, holders can only stay a maximum of 6 months straight. But both visas are valid for up to 10 years. In this post, I’ll only talk about the visitor visa .

A letter of invitation for a visitor visa to Canada is simply a letter where you write all the information that IRCC needs to know about:

  • Your family member or friend that you’re inviting to visit Canada, and
  • You, your family, and your household members.

You might be asking, “how do I write a letter that will guarantee a visa approval?”

The first thing you should note about a letter of invitation is that it won’t guarantee that your family member or friend’s visa to Canada will be approved. IRCC will assess the person, not you, who’s applying for the visitor visa. It’s your family member or friend’s responsibility to submit proofs that they meet Canada’s immigration laws. And while a letter of invitation is required, it’s not the basis of whether a visitor visa to Canada will be approved or not.

So, there’s no need for you to stress so much about writing one. Just make sure to include all the details required by IRCC and be honest.

Second, writing a letter of invitation does NOT mean that you’re legally responsible for those you are inviting. So for example, if your friend whom you invited comes here as a visitor, and then he overstays illegally, IRCC won’t come after you. Your friend will be the one to pay for whatever fine he needs to settle. But because you’re a good friend, just try to make sure this never happens.

And lastly, you don’t have to prove in the invitation letter that you can financially support the person you’re inviting. You don’t need to show that you’re employed, or how much you’re earning. We did anyway just in case.

But to be clear, it is your family member or friend who should prove to IRCC that they have enough funds to pay for their expenses here in Canada. Even if you write in your letter that you’ll provide for their housing and meals, they need to prove that they have their own money. And that money is enough to pay for their expenses during their visit to Canada. Most importantly, they must prove that they’ll return to their home country and not do anything illegal, like working or overstaying. Otherwise, IRCC might not approve their visitor visa application. 

So, what information should you include when you’re writing a letter of invitation for someone applying for a visa to Canada?

I’m quoting here the exact information from IRCC’s website which you can verify here .

When you write your letter of invitation, “you must include this information about the person you are inviting :

  • complete name,
  • date of birth,
  • address and telephone number,
  • your relationship to the person,
  • the purpose of the trip,
  • how long the person plans to stay in Canada,
  • where the person will stay, and how he or she will pay for things, and
  • when the person plans to leave Canada.

And then, “you must include this information about yourself :

  • address and telephone number in Canada, 
  • whether you are a Canadian citizen or permanent resident, 
  • a Canadian birth certificate, if you were born in Canada,
  • a Canadian citizenship card, if you are a naturalized citizen, or
  • a copy of your PR card or your IMM 1000 proof of landing, if you are a permanent resident,
  • details of your family, such as names and dates of birth of your spouse and dependents (this is mandatory for the parent and grandparent super visa ), and
  • the total number of people living in your household, including people you sponsored whose sponsorship is still in effect (this is mandatory for the parent and grandparent super visa ).”

If you’re wondering, “is there a format or template from IRCC that I can use?”. 

I couldn’t find one from IRCC’s website itself. But I’m sharing with you here the actual letter I wrote for my mother when she applied for her visitor visa in December 2019. Her visa got approved after one month. 

But using this letter as your template doesn’t guarantee that your family member or friend’s visa will get approved. Again, as I’ve said already, IRCC will assess the person, not you, who’s applying for the visitor visa. It’s your family member or friend’s responsibility to submit proofs that they meet Canada’s immigration laws.

Final Words on Writing a Letter of Invitation for a Visa to Canada

As mentioned in this post, a letter of invitation is among the required documents that your family member or friend needs to submit for their visa application to Canada. You should be the one to write and sign this letter. And in some cases, IRCC might ask you to notarize it. If this is the case, then you must send the notarized letter to your family member or friend. Then he or she must then send this letter to the Canadian embassy or consulate outside of Canada when he or she applies for a visitor visa.

In my mother’s case, IRCC didn’t ask us to notarize the letter. 

Before you write the letter, remember these 3 things:

  • The letter of invitation doesn’t guarantee visa approval.
  • Even if you wrote the letter, it doesn’t mean you’re legally responsible for the person you’re inviting.
  • And, if you’re the one writing the letter of invitation, you don’t have to show any financial proofs. 

So while the letter of invitation is required, IRCC’s decision to approve the visa application of your family member or friend will not be based on this letter. IRCC will assess the documents to be submitted by the visa applicant. These documents must prove that 

  • your family member or friend has enough money to pay for their expenses while in Canada, 
  • and that they will return to their home country as they promised.

Hi Hayam, thank you so much for your kind comment 🙂 If your mother is applying for a visit visa, she is the one mainly responsible for her finances here so she should be able to prove to the visa officer that she has enough funds on her own. If you will be supporting her financially, she still has to have money on her own. In this case, you can show proof to the visa officer of your financial condition although as far as I know this is only optional. You can double check these info from IRCC’s website to be sure as I only based my answer on oir personal experience. Thank you 🙂

Find out if you need a visa to travel to Canada

Most people need a visa or an Electronic Travel Authorization (eTA) to travel to Canada - not both. Some people may only need their valid passport. Answer a few questions to see what's right for you.

You can find the country code on your passport. Be careful when you select your country. Some countries have multiple options and codes are quite similar.

Answer yes if you’re a citizen of Canada and another country.

Look on the front cover of your passport for the symbol of a rectangle with a circle in the middle. If you see this symbol, you have an electronic passport.

Answer: You should already have a valid visitor visa

We automatically issued a  visitor visa  to you when we approved your first study or work permit.

If you leave and return to Canada,  you must travel with

  • your valid study or work permit
  • If you don’t have a valid visa when you check-in for a flight, it may result in travel delays (or a missed flight).
  • your valid passport

  • provide at least $100,000 in emergency coverage.
  • You must apply for a super visa from outside Canada.

If you already have a  valid Canadian visitor visa  you don’t need to apply for an eTA. You can travel with your visa until it expires.

  • valid passport or travel document that you used to apply for your study permit and
  • official proof of U.S. lawful permanent resident status

If you already have a  valid Canadian visitor visa , you don’t need to apply for an eTA. You can travel with your visa until it expires.

If you transit through Canada to or from the United States

You  may  be able to  transit through Canada without a visa or eTA if you meet certain eligibility requirements.

You need an official proof of status as a lawful permanent resident of the U.S., such as one of the following:

  • valid permanent resident card (Form I-551)
  • foreign passport with an unexpired temporary I-551 stamp (also known as an Alien Documentation, Identification and Telecommunication [ADIT] stamp)
  • foreign passport with a temporary I-551 printed notation (“Upon endorsement serves as temporary I-551 evidencing permanent residence for 1 year”) on a machine-readable immigrant visa upon endorsement with a U.S. Customs and Border Protection admission stamp
  • expired permanent resident card (Form I-551) with Form I-797 (Notice of Action) for pending Form I-751 (Petition to Remove Conditions on Residence) or Form I-829 (Petition by Investor to Remove Conditions on Permanent Resident Status)
  • expired permanent resident card (Form I-551) with Form I-797 (Notice of Action) for pending Form I-90 (Application to Replace Permanent Resident Card [Green Card])
  • valid re-entry permit (Form I-327)
  • Form I-94 with an unexpired temporary I-551 stamp (ADIT stamp) and a passport-style photo

What Is a Student Cover Letter?

If you plan to apply for a Canadian student visa, you will be required to submit a cover letter. This letter must explain in detail the purpose of your visa application, and it must explain in detail everything you will be doing while staying in Canada.

Note: You must attach the cover letter to your visa application and submit it to the Canadian Embassy when applying for your Canada student visa.

There are two types of cover letters that you are required to submit when applying for a Canadian Student Visa:

  • A cover letter SOP (statement of purpose)
  • A cover letter LOE (letter of explanation)

SOP (statement of purpose)

A cover letter with the statement of purpose is a letter that is applicable to the applicants who are applying for a Canada student visa for the first time.

LOE (letter of explanation)

A cover letter that includes a statement of explanation is a letter that is applicable to applicants who have been rejected in the past by the Canadian Embassy and who are applying for the second time for a student visa.

Note: The letters must be written similarly with the same structure, even though they have different topics.

How Many Parts Should a Student Cover Letter Have?

When applying for a Canada student visa, a cover letter must have three important parts:

  • The introduction. In the introduction, you must introduce yourself and include your personal information. You can also state the purpose of your visa application.
  • The body. The second part (body) is an essential part of the letter. In this paragraph, you must explain in detail why you are applying for a Canada student visa, how long you plan to stay, where you will stay, and any other information you think would need to be mentioned in the letter.
  • The conclusion. The third paragraph must be an ending conclusion part. This paragraph must contain details on why you want the Canada visa. It must also include other personal information such as email and phone number; this information will help the Embassy to contact you and inform you about your visa application results.

You cannot complete a cover letter without having these three important parts.

Employment certificate, financial documents, and income tax return (ITR) are the staples of most visa applications. But there is one document that is usually overlooked — the cover letter.

A cover letter isn’t always a requirement when applying for a visa. However, it’s something that we often recommend to add to your pile of documents, especially if there is no interview and you have some explaining to do.

You see, sometimes, things don’t always fit the mold perfectly. There are cases wherein you can’t provide the exact document needed, but you have a very good alternative. Or maybe you just can’t provide something at all, but you have a perfectly valid reason. Or perhaps you’re traveling with a group or for a special purpose. These instances could probably benefit from a well-crafted explanation to give the visa officer a clearer picture of your situation.

When I apply for a visa, I usually submit a cover letter regardless of whether or not it’s one of the requirements. I always want to give a summary of my application and clarify some aspects that may be prone to misinterpretation.

WHAT'S COVERED IN THIS GUIDE?

What should be in a cover letter?

For me, a good cover letter must be able to provide the following:

  • A short introduction about yourself.
  • Your travel dates and the purpose of your trip
  • If traveling with a group: your companions and your relationship with them
  • If sponsored: your sponsor’s name, your relationship with them, and the reason why they are willing to sponsor you
  • If you’re missing some requirements: the reason why you won’t be able to provide them and the alternatives you are submitting instead
  • If applying for a double entry or multiple entry visa: the reason why you need to be allowed more than one entry
  • A quick rundown of the destinations you will be visiting
  • A quick summary of your travel history (if any), highlighting that you have NEVER violated visa rules in the past
  • A promise to return to your home country in time

Looks like a lot, huh? But here’s the thing: According to a couple of friends who used to work as visa officers at strict embassies, they usually had very little time to assess each application. Hence, if you’re going to make a cover letter, go straight to the point . One page should be enough. The key is being concise — finding the balance between giving enough information and keeping it short and sweet.

Here are some samples. I intentionally used complicated situations to give you an idea how I usually explain them. If they don’t apply to you, feel free to modify these to match your case. Please use this only as a model for your own cover letter. Please do not copy-paste the whole thing without adjustments.

Hello, I will be applying for a Japan visa and will submit a cover letter din. I have a few questions:

  • If I am traveling with friends pero we will be submitting individual applications, do I need to include that in the cover letter na I am with them on this trip?
  • Do you need to submit all your savings account o kahit isa nalang?
  • Plan ko rin sana (dahil nabasa ko sa ibang posts nyo hehe) na payroll and savings account ipasa, pero kung nililipat ko rin naman yung laman ng payroll sa savings, need ko pa ba isubmit yung payroll account?
  • Sa ibang Japan visa application na napanuod ko, nagsusubmit sila ng bank certificate at bank statement. Do I need to do that?

I plan to visit Canada and have started my visa application. I selected visit friend for purpose instead of tourism as I would like to be fully honest with my application. My very purpose is to be with my boyfriend and meet his family and friends. Touring comes as a bonus. Would it be fine to add captions or narrations on the pdf document together with our pictures as proof? You must describe your intended itinerary and the duration of your stay. How to apply

Generally, you must apply for a study permit before you come to Canada . Some people can apply for a study permit from within Canada. In some cases, you can apply when you arrive in Canada at the port of entry. Make sure you understand which option is available to you.

Get your documents ready

When you apply, you should submit

  • the  letter of acceptance from the  designated learning institution (DLI) you’ll be attending
  • You can upload your PAL/TAL into the Provincial attestation letter (required) field in your application. If this option is missing, you must upload your PAL/TAL to the Client information field. If you meet an exception, you must provide any evidence in the Client information field.
  • We won’t be able to finalize your study permit until you’ve submitted a complete application.
  • Waiting to submit documents will cause delays in processing.

Apply online

If you’re applying for a study permit, you must apply online , whether you’re outside of Canada or already in Canada.

You’re only eligible to apply on paper if you

  • have a disability that prevents you from applying online
  • hold an identity or travel document for non-national residents, refugees or stateless persons

Problem with the online application

You may not be able to apply for your study permit online. For example, if you currently have visitor status in Canada and your spouse or common-law partner is a NOC C or D worker, you may need to submit your application on paper.

Biometrics and the application process

We refer to your fingerprints and photo as biometrics. We collect biometrics for most applications. Find out what happens from when you submit your application to when you get to Canada and where biometrics fits in the process.

1. Apply for your visitor visa, study permit or work permit

If you want to visit, study or work in Canada, make sure you’re eligible to apply. Use our application guides to help fill out your application properly, then submit your application.

Avoid processing delays by sending us a complete application .

2. Get your fingerprints and photo taken

If you’re between 14 and 79 years old, you probably need to give your fingerprints and photo (biometrics).You only need to give your biometrics once every 10 years to make repeat trips to Canada easier.

  • You must pay the biometrics fee when you submit your application. Otherwise you may experience delays.
  • Get this done as soon as you get the letter from us that tells you to give biometrics.
  • You have 30 days to do this from the date on the letter.

3. We process your application

After we get your biometrics, we start processing your application. See how long it takes to process your application .

If we need more information from you, we’ll contact you.

4. We make a decision on your application

When we finish reviewing your application, we let you know if you’re approved to come to Canada. If you are, we issue your documents.

If your application is refused, we send you a letter that tells you why.

5. You travel to Canada (if you’re approved)

Make sure you travel with the documents we gave you. This includes travel documents like a visitor visa, study or work permits or an eTA (electronically linked to your passport).

Airline staff and border service officers at ports of entry will ask to see your travel documents. If you don’t have them, you may not be able to board your flight to Canada.

Make sure children under 18 travel with the right documents .

6. We check your identity when you arrive in Canada

When you arrive, we check your identity to make sure that you are the same person who was approved to travel to Canada. We may use your biometrics to do this.

If we can’t verify your identity, you may be detained by a border services officer. These officers help protect the health and safety of Canadians.

If the officer determines that you’re not admissible to Canada, you won’t be allowed to enter Canada. If you came by air, you’ll have to take a return flight to where you came from.

7. You’re allowed to enter Canada

If you pass the identity check and meet the entry requirements , the border services officer stamps your passport and lets you know how long you can stay in Canada. You’re normally allowed to stay in Canada for up to six months.

Children under 18 must meet the same entry requirements as adults. The border services officer may ask minor children to show other documents depending on whether the child is travelling alone or with someone.

Basic entry requirements

You must meet some basic requirements to enter Canada. You must:

  • have a valid travel document, like a passport
  • be in good health
  • have no criminal or immigration-related convictions
  • convince an immigration officer that you have ties—such as a job, home, financial assets or family—that will take you back to your home country
  • convince an immigration officer that you will leave Canada at the end of your visit
  • The amount of money you will need depends on how long you will stay and if you will stay in a hotel, or with friends or relatives.

Some people are not admissible to Canada, which means they are not allowed to enter the country. You can be inadmissible for several reasons, including being involved in:

  • criminal activity
  • human rights violations

If the printed expiry date has passed and you’re applying for a visitor visa, study permit, work permit or to extend your stay as a temporary resident in Canada, follow these steps:

  • Add 5 years to the printed expiry date shown on your passport and enter it in the expiry date field of the application form.
  • Include a letter of explanation with your application stating: “I am a Venezuelan national with a Venezuelan passport, which has been extended for 5 years”.

Warning: If your passport is still expired after adding 5 years to the printed expiry date, your passport is considered expired. You’re not eligible to submit an application with that passport.

If you’re a legal resident in certain countries, you may be able to get your study permit faster by applying online through the Student Direct Stream .

Third-party fees

If you need an electronic travel authorization (eTA) or visa, we’ll issue it automatically at the same time as your study permit. You don’t need to apply separately or pay another fee.

What to do if you can’t apply online

You need to apply as though you’re outside Canada

Even though you’re physically in Canada, you must follow the instructions for applying for a study permit from outside Canada.

In our online tools, choose your country of citizenship when you’re asked for your current country or territory of residence. This is to make sure you get the correct application forms.

When you fill out the PDF forms, your answers must be accurate, since they’re now part of your application. If you’re in Canada, use your Canadian address.

Apply to restore your status as a student

If you want to continue studying in Canada, but your study permit has expired, you need to restore your status as a student and apply for a new study permit.

On the application form, select both

  • an initial study permit or extension of study permit and
  • restoration of temporary resident status as a student

Apply at a port of entry

When you arrive at the port of entry.

Tell the officer that you want a study permit. The officer will check

  • your passport or other travel document
  • that you meet the eligibility requirements and
  • that your medical certificate is valid, if you need one

If you’re eligible for a study permit, the officer will issue one to you. If you’re not eligible, the officer will refuse your study permit. If your permit is refused, you may still be able to enter Canada as a visitor .

You can’t apply at a port of entry

You can’t apply for a study permit at a port of entry. You need to apply from outside Canada.

Credit cards and prepaid cards

We accept credit cards and prepaid cards from:

  • MasterCard ® ,
  • American Express ® , and

If you use a prepaid credit card, keep it for at least 18 months after you pay to make refunds easier.

We also accept all Visa Debit cards.

The card you use does not have to be in your name. The cardholder’s name will appear on the receipt but it does not need to match your application.

Debit cards

  • be from a Canadian bank using INTERAC ® Online , and
  • be registered for online banking through your bank’s website.
