Best Structure for Employment Letter Sample in Pakistan

When it comes to drafting an employment letter in Pakistan, there are certain elements that need to be included to make it effective and legally compliant. Here, we’ll take a closer look at the best structure for an employment letter sample in Pakistan.

1. Company Information: Start with the company name, address, logo, and other details at the top of the letter. This sets the stage for the rest of the letter and helps to identify your organization.

2. Date: Mention the date when the letter is being written. This is an essential part of the letter as it establishes the timeframe for which the letter is valid.

3. Salutation: Address your employee by name, as it adds a personal touch and makes the letter more meaningful. The salutation should be followed by a formal greeting such as “Dear” or “Dear Sir/Madam.”

4. Introduction: Begin with a small introduction about the purpose of the letter. Explain that it is an employment offer letter for the respective position.

5. Employment Details: This part of the letter should clearly outline the details of the job offer, such as the job title, department, job description, job duties, and hours of work. It should also mention the salary, overtime pay, and benefits that the employee will be entitled to.

6. Starting Date: Include the starting date of employment, so the employee knows when to report to work. Mention the duration of the probationary period if there is any.

7. Termination Clause: This is an important clause that needs to be included in the letter. It specifies the reasons upon which the employment can be terminated. The notice period for termination should also be mentioned.

8. Resignation Clause: It’s important to include a clause in the letter that outlines the resignation terms to be followed by the employee.

9. Signature: End the letter with a signature and company seal, indicating that the letter is legitimate.

In conclusion, a well-structured employment letter sample in Pakistan should include the key elements mentioned above. This will ensure that both the employer and employee are clear on the terms of employment, and the letter will serve as a binding agreement between the two parties.

  • Begin by addressing the letter to the proper authority. If you are not sure who that is, do some research on the company’s website or ask someone in a position of authority.
  • Be clear and concise in your language. Use simple sentences and avoid technical terms or industry jargon that the reader may not understand.
  • Make sure to include all necessary details, such as job title, salary, and start date. This will help avoid any confusion or misunderstandings down the line.
  • Highlight the candidate’s qualifications and experience in a positive light. Be sure to explain how their skills and knowledge will benefit the organization.
  • Be truthful in your statements. Avoid exaggerating or misrepresenting the candidate’s abilities or experience, as this can damage the company’s reputation if found out.
  • Include any relevant contact information, such as phone numbers or email addresses, so that the employer can easily reach out if they have any questions or need more information.
  • Close the letter with a polite and professional tone, thanking the reader for their time and consideration.

We’ve created these cover letter samples to give you a head start on your personal cover letter! Let’s get started!

What is a Cover Letter?

The cover letter can be a one-page document that you must submit to the employer as part of your application along with your resume. Its goal is to introduce yourself and concisely describe your professional history. The typical cover letter should be between 250-400 words. A well-written cover letter will provide the hiring manager with more understanding of the qualities that make you a desirable candidate, and also help them make decisions about whether or not to invite you to an interview. A poor cover letter, however, could be dismissed (at most) and could cost your job (at the very worst).

Therefore, in order to ensure that this doesn’t happen, it’s important to know how to craft a persuasive cover letter. The first thing to keep in mind is the fact that your cover letter should be an addition to your resume it’s not a replacement for your resume. This means that you shouldn’t duplicate the information in your resume and then call it an evening. In the best-case scenario, you can make use of your letter of cover to provide information about your abilities and experience and to clarify any areas you weren’t able to include on your CV.

Subject for Cover Letter

“Re:” or “Subject:”) is the reason for the letter. If you are applying for a job the letter could include the name of the position or the competition’s number. In a letter to the network, it might include the position that you’re interested in as well as “Potential employment opportunities.”

Writing a Cover Letter

What is a cover letter?

A cover letter, also commonly called as motivational letter, is a type of a formal letter that accompanies the curriculum vitae to apply for a position in an organization. It is a short document that portrays the capabilities of a person for a particular job that catches eye of the employer. It is the first communication between a potential candidate and employers. A good cover letter entices the employers to read the resume.

What are the types of cover letters?

The cover letter may be categorized into two major classes.

  • Invited cover letters that people write to apply for a particular position in a company
  • Uninvited cover letter to ask for availability of suitable jobs in an organization.

What is the purpose of cover letter?

The purpose of the cover letter is to persuade the employer to hire the person for a specific job. It must focus on the skills required for the job and the justification for being suitable for the job. Experienced employers use cover letters to screen the people who are willing to do the job. Cover letter plays a key role in convincing hiring authorities to induct their desired persons.

What is the effect of cover letter on an employer?

Your cover letter must have following effects on the hiring person:

  • It should provide the employer with the goals and objectives of your career
  • The employer should pay attention to your unique, attractive and most desired for the position under consideration

What are the parts of cover letter?

The cover letter may be divided into following parts.

  • Header of cover letter is very much similar to that of a business letter. It contains sender address, contact information, recipient’s address, recipient’s contact information, date on which letter was sent. It may also contain reference section that may refer to some other letter. Header ends with a formal salutation.
  • Introduction focuses on the position you are applying for, some information about the company and source that initiated your application.
  • The body of cover letter highlights the material in your resume. It includes the skills, past experience and educational qualifications. It may include your unique abilities that distinguish you from other applicants to persuade the employer to hire you.

  • Pair your qualities with the keywords given in the job advertisement and try to highlight those qualities as much as possible
  • Don’t exaggerate in explaining your abilities
  • Try to complement the skills in resume instead of duplicating them
  • Justify your suitability for the job by convincing employer with your motivation, education, experience and skills
  • The cover letter must be the trailer of the resume that would persuade the employer to read your CV in detail
  • Cover letter must be brief and to the point. Keep its length to maximum one page
  • Request an interview in cover letter
  • Make sure that cover letter is free from grammatical and typographical mistakes as they put negative impact on the employer
  • Write cover letter in font large enough to be easily read by the employer
  • Read the cover letter twice or thrice when it is complete and try to analyze it from the point of view of the employer

What are the major mistakes while writing cover letters?

There are some mistakes that are commonly made while writing cover letters. Some of the suggestions to avoid mistakes are as follows.

  • Using humorous language in cover letter which shows non professional attitude
  • Including irrelevant experiences from other jobs
  • Mistakes in format
  • Including such qualifications that are missing from your resume
  • Including stories and dialogues of others
  • Losing flow in your arguments. The sentences must be connected
  • Not skipping the details that may be obvious for the employer
  • Being over formal that may lead to boredom while reading
  • Using general salutations like “Respected sir/madam”. Be sure about the employer to whom you are addressing
  • Sending the same cover letter to all companies
  • Focusing too much on your own abilities. Try to mention how you would be beneficial for the company
  • Forgetting to include your contact information so that your employer may contact you at any time
  • Forgetting to attach a resume with cover letter is a big mistake

For the Pakistan job market, the header of a resume is paramount as it ensures easy accessibility of all necessary contact information for potential employers. To create an effective header, one must first list their last name followed by their first name. Following this, the profession and discipline should be clearly stated, indicating the field in which the individual specializes. The next essential detail is the mailing address, which will provide employers with an additional method of contact. In the competitive job market of Pakistan, the experience section of your CV is of paramount importance. It is the cornerstone of your profile, reflecting your professional journey and showcasing your abilities to potential employers.

  • Chronological Order: Structure your work history in reverse chronological order. This allows potential employers to see your most recent and relevant experiences first. It also demonstrates your career progression effectively.
  • Contract Dates: Make sure to include the start and end dates of each position you held. Precise dates give employers a clear picture of your tenure, which is important in gauging your experience level.

The Crucial Role of Education in Resumes for Pakistan's Job Market

The education section is a crucial part of a CV, especially in the Pakistan job market, where recruiters put a significant emphasis on the candidate's educational background. This section provides a comprehensive overview of the person's academic qualifications, including the degrees earned, the institutions attended, and the years of study. It also indicates the specialization areas, which can be a deciding factor for specific roles. For example, a candidate applying for a teaching position in a university would need to highlight their PhD or Master's degree in the field, demonstrating their expertise.

In general, in the Pakistan job market, it is recommended to place the education section towards the beginning of the CV, right after the personal details and the objective or summary. This is because many employers in Pakistan prioritize educational qualifications when screening candidates. For instance, for competitive positions in sectors such as IT or Engineering, a bachelor's or master's degree from a reputable institution can distinguish a candidate. However, in cases where the candidate has extensive relevant work experience or unique industry-specific skills, the education section can be placed after the experience section. For example, a seasoned journalist with decades of experience and a strong portfolio may choose to highlight these aspects before their academic qualifications.

39+ Basic Job Application Forms (Free Templates) | Word, PDF

A Basic Job Application is a document that job applicants use to provide the information required when applying for a given job position.

After the application form is sent by an applicant, the hiring managers use it to obtain crucial information to help them make informed decisions when considering the applicant’s eligibility for the position they have applied for. Information collected in a basic job application form includes the applicant’s personal information (such as their name, age, gender), employment eligibility, employment history, education background, etc.

A basic job application form is a document that is used to assist applicants in providing hiring managers with a completed job application. The form contains sections for the applicant to fill in their name, contact information, the position they are applying for, availability, education background, work history, signature, and date of application.

A basic job application form is also referred to as:

  • Employment application
  • Application for Employment form
  • Job application letter

A job application is used to furnish the employer/hiring manager with all the information they need to determine if the applicant is the best fit for the position they have applied for. A signed job application also serves as a verification that the information provided in the document is authentic and accurate.

Free Job Application Form Templates

Following are some free downloadable templates for you:

Although most organizations prefer applicants to send in their resumes or CVs, job application forms are still important as they help provide a lot of information about the employee in a standardized format.

When and Why are Job Application Forms Used

Job applications are used for various reasons.

Some of the common instances that may prompt the use of a basic job application include:

  • When creating a standardized format for basic job application
  • To make the scanning and application process effective
  • When you want to sign and attest that the information you are providing is true and accurate
  • When it is a requirement listed in the job advertisement
  • To prove the background check from any criminal or drug abuse-related query required by the employer in particular States

Job application forms are more accessible to review than CVs and resumes and provide the employer with an opening to state what the employee would not have otherwise stated in their resume or CV. As such, it is essential to take your time to consider the words, tone, and format of the job application, as these are the things that will help the hiring manager/employer make a decision on whether you are their ideal candidate.

Background Check Consent

Go through your job application and proofread to ensure that it is free of errors or mistakes before submitting. Also, ensure that you provide accurate information as providing inaccurate information may result in automatic disqualification.

Another important thing you should do when submitting your application is to check if the employer will conduct a background check on you and consent to that. Unfortunately, without your consent, some States do not allow employers to conduct background checks on applicants.

Types of Basic Job Application

There are different types of job applications that you should know of before applying for a job.

The type you choose will depend on how the employer/hiring manager requires all job applications to be submitted:

Online job applications

Online job applications are applications done and submitted online either at the employer’s website, hiring center, or on a mobile device using a specified application. Some employers usually specify how one should apply for the job, while others don’t specify.

In-person job applications

This is one of the most common types of job applications. It involves personally submitting your job application at the company’s offices or at a specified place. Although in-person job applications are usually not as complicated as online job applications, it is important that you still prepare yourself adequately as you may be required to take an interview when submitting your application.

Email job applications

It is common to find a job where you are required to submit your application via email. It is important that you use a professional email and avoid using overly long emails or ones that contain funny or unimpressive words. It is essential that you maintain the utmost professionalism to establish yourself as a strong candidate for the position.

Tip: When applying for a job, take your time to compile the basic job application form materials and go through your work to ensure that it is free of errors. If you are sending the application via email, send it to a friend or colleague first and have them go through it to check and ensure that it is devoid of any mistakes. After sending your application, keep a copy for your records so that you can follow up with the employer.

Paper job applications

When applying for a job opening at an organization, you may be given a form to fill out. This is referred to as a paper job application. In most cases, paper job applications will be issued for in-person applications.

Tip: In most cases, digital applications will require that you key in your data into the system directly. Some of the systems will provide you with an option to attach copies of the cover letter and resume . Ensure that when applying for a job, you have both copies ready to attach.

Requirements in a Basic Job Application Form

As we have already established, a job application form provides employers information about you- the applicant to help them determine if you are the best fit for the position. Before you apply for a job position, It is an excellent practice to know how to efficiently fill a job application form.

Information that you will be asked to include in the basic job application form includes but is not limited to:

Personal information

Personal information that you may be required to provide in a basic job application includes:

  • Home address including your city, state, and Zip Code
  • Your phone numbers
  • Email address
  • Social security number
  • Your eligibility to work in the US
  • Your date of birth

The position you are applying for

Employers/hiring managers usually get hundreds of job applications every day after advertising an open position. When applying for a job, you will be required to mention the position that you are applying for. It is important not to assume that the position you are applying for is the only vacant position and that the employer will automatically know which position you have applied for. Failing to mention the position you are applying for may set you up for automatic disqualification as the employer may not know where to categorize your application.

When applying for a job that employees work in shifts, you may be required to state your availability. If your schedule is flexible, make sure to state that your schedule is flexible. Also, if you have other commitments that may require that you only work a particular shift, make sure to mention in the application form to provide the employer with enough information so as not to create inconvenience for yourself if you have qualified for the position.

Eligibility to work

If you are applying for a job in another country, you may be required to state whether you have a work visa. For instance, when applying for a job in the US, the employer will want to know if you are eligible to work, considering your age , so as not to violate any government policies. The employer may also want to know if you have been convicted of a felony within the last five years. This information may be required to help them understand who you are before considering your job application.

Employers/hiring managers usually require job applicants to provide their educational background including, the schools they attended, the degree they attained, their graduation date, certificates they received during their studies, and their grade point average. Applicants may also be required to provide skills that make them suitable for the job and mention any extracurricular activities they undertook. In contrast, in school, that makes them suitable candidates for the job. When filling out the basic job application form, you may be required to provide this information and more. Ensure that the information provided is true and accurate, as the employer may contact the schools you have listed to verify the information.

When filling out a basic job application form, you will, in most cases, be required to fill in your level of experience, especially if the job requires applicants to have some level of experience, such as when applying for a leadership role. You may, however, not be required to fill out your level of experience when applying for an entry-level position.

Employment history

Just like job experience, employment history will not be required if you apply for an entry-level position. However, for more complex jobs that require you to have some experience, you may be required to mention where you had worked before, who your employer was, their address, phone number, and email as well as your job title, responsibilities, the reason for leaving, the start and end dates of your employment, and permission to contact your previous employer.

Desired salary

Some employers require that job applicants mention their desired salary to gauge whether the applicant is confident in their skills. If you mention a lower-than-expected salary range, the employer may question your confidence in your skills. If you mention a higher-than-expected salary, the employer may not be able to afford to hire you. Make sure that you check the salary range offered by the organization before sending in your job application.

Consent (signature and date)

A basic job application form will have a section where you sign and include the date of signing. This is to ensure that you acknowledge that the information that you have provided is true and accurate. Make sure that you sign a basic job application form, as, without your signature, you may be automatically disqualified.

Employers may require that you provide at least two references in your job application. A reference person is simply anyone who can vouch for you. This can be your previous employer, colleague, supervisor, or anyone with a title, just not your friends or family. Information that may be required about the references includes; their name, job title, company, email, phone, and company address.

Additional Tips

Getting everything right when applying for a job can help set you up as a strong candidate for the position you are applying for.

Therefore, you should consider the following when preparing your job application:

  • Prepare a list of information beforehand: Before filling out the job application form, start listing all the information you need. You may consider writing a draft application to give you an overview of what to include.
  • Double-check the details with the resume: The information you provide in your job application should be genuine and accurate and should reflect what you have included in your resume. Make sure to double-check your work to make sure that it is free from errors and incorrect information.
  • Print a copy: Ensure that you print out a copy of the job application and fill it in when applying in person. This way, you will be able to use the copy as a guide for completing the application.
  • Be ready for a talent assessment: Some employers may give you a test during the application to verify if you have the skills you have mentioned in your resume. For instance, if you are a software developer, you may be given a simple task to do or a bug to fix within a given period to ascertain if you are competent enough for the role.
  • Add a cover letter: A cover letter is a one-page document that will give the employer an overview of who you are and why you are applying for the position. Ensure that your cover letter is well crafted to invite the employer to review your job application.

Final Words

Basic job application forms are usually easier to review for hiring managers than CVs and resumes are and provide you with an opening to state what you would have otherwise not stated in your resume or CV. As such, it is important that you take your time to consider the words, tone, and format of the job application, as these are the things that will help the hiring manager/employer decide on whether you are their ideal candidate. Make sure to proofread your application to avoid being disqualified for minor mistakes.

Types of CV and How to Write a Perfect CV for a Pakistani Market

A finely curated CV can help you get any job you want and choosing the right format is the first step toward making an impactful CV. Depending upon your experience and what job you are applying for; you must select the format which will highlight your professional experience and skills in the best way possible. There are two types of CV formats each with its purposes and specifications, let us discuss them in detail so that they will help you next time you create a CV:

Chronological CV:

Also termed the traditional format, this CV follows your experience in chronological order. All of your professional work experience is written in reverse chronology so that your most recent experience and achievements are at the top. This format is widely used by almost everyone but you should only use it if you have the relevant experience and skills for the job you are applying to. If you have any career gaps it is best to not use this format and if you are using it anyways, provide appropriate reasons for the gaps. This format helps in emphasizing your career growth and highlights your progression throughout your career.

Skills-based CV:

A skills-based CV is a perfect choice for fresh graduates or people seeking a career change. This CV is also known as a Functional CV and it emphasizes your skills and qualities rather than focusing on your professional experience. Skills-based CV helps in covering up career gaps by highlighting any short-term or volunteering experiences you have had that are relevant to the job you are applying for. This format also helps in making career change CVs because it showcases how your current skills can be transferred to the new job. If you have no relevant employment history or lack of experience, this CV will take the focus off it and shine a light on your strengths.

Now that you know which format will be best for you, it comes to writing the CV. According to the CV writers in Pakistan, there are certain types of CV tips and tricks that work best for the Pakistani market and will land you the job you want. Although a lot of the things remain the same as every other CV, some of the things are changed depending upon the requirements of the specific job or the overall requirements of the Pakistani organizations. For writing a CV that is perfect for the Pakistani market, you need to consider the following things:

1. Contact information:

Write your name, email address, and phone number at the top of your CV. Your personal information needs to be correct so the employer can contact you easily. Update your phone number to the one you use, if you use another number for WhatsApp, you can also include that one as well. If you have recently relocated, change your address and make sure that it is written completely including everything from the street name to the area and the city. You can also mention in your cover letter if you will be willing to relocate if you are applying for a job in another city. Some jobs require your CNIC number as well so read the job description and you will find any further requirements written there. You can also add the link to your LinkedIn profile in the CV if you think your account is impressive and will help the recruiter in deciding in your favor. Recheck this information once again after completing the CV to ensure everything is accurate.

2. Work Experience:

This section is given the most priority in the Pakistani market, where you have worked and what designation you were on matters the most to the recruiter. Include as much information as you can about your day-to-day responsibilities and all the achievements you acquired in each job. If you are a fresh graduate, you can add the projects that you did in your university that are relevant for the job or you can include any internships or volunteer work you might have done. Try to emphasize your skills if you have no professional experience because that will take the focus off of your inexperience.

3. Education:

This is also one of the most important sections in Pakistani CVs that the recruiter highly consider. Some of the companies may ask you to provide your results as well like your CGPA. Include all the educational information in this section, if you have done any additional courses then you can also include them as well. Mention the names of all the institutes where you have gained education from. If you are a fresh graduate, you can also add things such as your thesis projects and you can also highlight any courses in your degree that are relevant to the job.

4. Skills and Abilities:

Reading the job description before you start writing the CV is important, it helps you target the keywords the recruiter will most probably look for. Once you read the job description, it can include the keywords mentioned in the job description and you can also include adjectives in your CV that are similar to the ones the recruiter has used. This will help immensely, especially if you are applying for a job in any MNC because they use the ATS system to scan CVs. This is one of the reasons, CV writing services providers in Pakistan have now moved towards a more keyword-friendly approach.

These are some of the things that will instantly make your CV stand out in the Pakistani Market. Other than this, you should also pay attention to how you format your CV. Avoid using colorful templates, use professional fonts and make sure your sentences are not too long. With the competition higher than ever and more and more people looking for jobs, the recruiters do not have time to read every CV entirely. Make sure your CV is readable, concise, and structured in a way that the recruiter can see all your achievements in just a few minutes. Creating a CV that impresses the recruiter will take up a lot of your time but it will provide you with a lot of amazing job opportunities in the country.
