There are many job opportunities out there for grab. However, those who qualify for the same; with good papers so to speak rarely make it upon application. Those applicants who failed to be selected get it strange when their competing counterparts who had lower grades made it to the interview. Some question the criterion that was used to get the shortlisted candidates while others alleges it to corruption, nepotism and favoritism among other allegations.

However, the reason why job seekers or graduates fail to secure a job lies within them. The core reason for rejection of their application usually is the cover letter. A cover letter is the most important part of your job application since the way you express yourself reflects who you are in terms of qualification and that dictates if you qualify for that position.

1. Ensure your letter is correctly addressed

Make sure that you address your hirer as either sir or madam. Do not be gender biased since you never know who will read your application. Do you have your heart set on a specific company but have never seen them post a single vacancy? And are you on the verge of giving up completely, and convinced you’re going to be jobless and broke for the rest of your life?

Well, don’t crumple your  perfectly written résumé  in a ball of paper just yet — there’s still hope for you!

All you need to do is write an awesome job application letter.

Application letters are a great way to get your foot in the door of a company that hasn’t advertised a position or when you’re applying for an academic program or an  internship .

What is a job application letter/email?

Whereas cover letters are used when applying for a specific vacancy, and include details which are complementary to what’s on the applicant’s résumé, application letters are submitted when there is no job opening, and they tend to be more detailed.

Unlike cover letters, which usually span about one page, application letters can be twice as long.

How should you structure your letter?

The structure and formatting of your application letter is just as important as the words you use to sell your skills and enthusiasm for the job. The pointers below will help you deliver your message in a professional and effective way.

Sender’s address

Begin your letter with your address listed in the left-hand corner of the page. In the US, it’s acceptable to list your address in the right-hand corner. (Skip this step if you’re going to send your application via email.)

If you’re applying via email, create an email address for professional use if you haven’t already. This should include your first and last names or initials — no nicknames or years of birth! Two appropriate examples are [email protected] and [email protected] .

As with any official letter, include the date of your letter below your address.

Subject line

The  subject of your email  should make the manager want to read more and not automatically press the “Delete” button. It could be something like: “Social Media Expert with over 5 Years of Experience”.

Inside address

The company’s address should appear a few lines below your address and the date. Skip this if you’re sending an email.

As with any formal letter, you need to open with the correct formal salutation (such as “Dear Mr [surname]” or “Dear Ms [surname]”).

It’s also best to find out who the head of the department is, and address your letter directly to them to show that you’ve taken the time to really do your research. If you begin with “Dear Hiring Manager”, for example, you’re potentially destroying your chances of getting the job you’re applying for.

Opening paragraph

The opening paragraph should provide details on why you’re getting in touch.

Think about what you want to achieve with this letter before forming your answer. For example, you could say that it’s been a dream of yours to work for the company and that you feel that, given the chance, you’d love to bring new skills and ideas to the table. You can also highlight any qualifications you have here.

Middle paragraph(s)

This is where you will explain why you’re suitable for the position by listing skills you’ve developed through previous work experience . Remember that this shouldn’t be a word-for-word copy of your résumé; rather, you should use this as an opportunity to expand on notable achievements.

And make sure you tailor the content of your letter to the particular job title and company you’re applying to — you don’t want to ramble on about irrelevant details.

Final paragraph

Finally, focus on what you bring to the table and how the company can benefit from your skills and experience. If you have statistics and figures to back up your claims, even better!

For example, if you’re an experienced project manager, you could say how you want to showcase your leadership skills and help the company reach its desired turnover, and then back this up with statistics on how you did just that in previous positions.

You should close your letter with a call-to-action. For example, you could say something like: “I look forward to hearing back from you to discuss any possibilities”. And don’t forget to thank the reader for their time!

Your name and signature

If you’re sending this by snail mail, opt for a handwritten signature. If, on the other hand, you’re sending an email, simply write your name, followed by your contact information.

Most application letter templates (and formal letter templates in general) use the Times New Roman typeface at 12 points. Other recommended fonts include Arial, Georgia and Calibri.

Tips for writing your letter

When it’s time to write an application letter, bear the following points in mind to ensure that your document captures the hiring manager’s attention and successfully creates the impression that you’d make a good fit for their company.

1. Include bullet points

Bullet points can be used as an effective formatting tool when writing your application letter. They can demonstrate points clearly and concisely, as well as help with the overall layout, allowing for bite-sized, readable chunks of information.

2. Make sure the language you use is easy to read

You might be a literary wizard , but those long words won’t impress the hiring manager if they make your letter difficult to read.

3. Use positive language

Positivity is the way forward when it comes to selling your skills to a potential employer. Therefore, you should use positive words when explaining your previous work experience.

These words include “assisted”, “conducted”, “executed”, “proposed” and “recommended”, which (when used right) can demonstrate your contribution and dedication to your role and organization.

4. Be creative

Depending on the industry that you’re interested in, you can be a bit creative with your approach . This means that you don’t have to follow the conventional structure of a cover letter, and can instead adopt a more story-like approach.

Should you add any attachments?

Since application letters are not submitted in response to particular job ads, but rather serve as an inquiry into any unadvertised openings which may be available, they tend to be standalone documents. That is to say they are not typically accompanied by other files.

Whereas cover letters are concise, tailored to the job posting and accompanied by résumés, your letter of application will be a more extensive account of your skills and experiences.

That being said, if you’re applying for a creative position such as that of a video editor or blog writer, it makes sense to include a few samples of your work that best represent your talent and ability.

The following application letter samples can give you an idea as to what to include in your letter, as well as how to structure it effectively.

1. Job application email sample

Dear Mr Cannon,

I have long been following your company’s growth and progress, being extremely passionate about clean, renewable energy. I remember coming across XYZ Renewables back in the early 2000s, when it was still in its early startup stages, and I admire how your leadership has grown the company since.

Having gained extensive experience as a solar consultant over the last decade, I have kept an eye out for any job opportunities with XYZ Renewables. This is why I am writing to you today: to express a keen interest in working with you in the future, should any solar consultation vacancies become available at your company.

In my current role at ABC Energies, I train new hires in advising and liaising with clients, as well as in designing and installing solar systems that cater to the needs and budget of our clients. I carry out the same duties myself, and have been commended for my customer service skills and technical know-how in solar systems installations. Over the last year, I have overseen and facilitated transactions totaling upwards of $1 million.

2. Use a professional format and design

Your application letter should follow a formal letter of application format. Use a standard font like Times New Roman or Arial, and keep the font size between 10 and 12 points. Include your contact information, the date, and the employer’s contact information at the top of the letter.

There are many layouts online that you can use. Find one that represents your style and complements your resume.

3. Make it engaging from the start with a strong opening

Even when employers don’t require a job application letter , writing one will help you highlight your skills and achievements and get the hiring manager’s attention. The only time not to send one is when the job listing says not to do so. It can help, and it definitely won't hurt to include an application letter with your resume.

A job application letter, also known as a cover letter , should be sent or uploaded with your resume when applying for jobs. While your resume offers a history of your work experience and an outline of your skills and accomplishments, the job application letter you send to an employer explains why you are qualified for the position and should be selected for an interview.

Writing this letter can seem like a challenging task. However, if you take it one step at a time, you'll soon be an expert at writing application letters to send with your resume.

Before you begin writing your job application letter, do some groundwork. Consider what information you want to include, and keep in mind that space is limited.

Writing a job application letter is very different from a quick email to a friend or a thank-you note to a relative. Hiring managers and potential interviewers have certain expectations when it comes to the letter's presentation and appearance, from length (no more than a page) and font size to style and letter spacing . Keep these general guidelines in mind, but always stick to any explicit instructions in the job listing or application portal.

Length: A letter of application should be no more than one page long. Three to four paragraphs are typical.

Format and Page Margins: A letter of application should be single-spaced with a space between each paragraph. Use 1-inch margins and align your text to the left, which is the standard alignment for most documents.

Font: Use a traditional font such as Times New Roman, Arial, or Calibri. The font size should be between 10 and 12 points.

What to Include in Each Section of the Letter

There are also set rules for the sections included in the letter, from salutation to sign-off, and how the letter is organized. Here's a quick overview of the main sections included in a job application letter:

Heading: A job application letter should begin with both your and the employer's contact information (name, address, phone number, email), followed by the date. If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature.

  •   Header Examples

Salutation: This is your polite greeting. The most common salutation is "Dear Mr./Ms." followed by the person's last name. Find out more about appropriate cover letter salutations , including what to do if you don't know the person's name or are unsure of a contact's gender.

Body of the letter: Think of this section as having three distinct parts.

In the first paragraph , you'll want to mention the job you are applying for and where you saw the job listing.

The next paragraph(s) are the most important part of your letter. Remember how you gathered information about what the employer was seeking, and how you could meet their needs? This is where you'll share those relevant details on your experience and accomplishments.

The third and last part of the body of the letter will be your thank you to the employer; you can also offer follow-up information.

Complimentary Close: Sign off your email or letter with a polite close, such as "Best," or "Sincerely," followed by your name.

  • Closing Examples

Signature: When you're sending or uploading a printed letter, end with your handwritten signature, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.

Overwhelmed by all these formatting and organization requirements? One way to make the process of writing a job application easier is to use a template to create your own personalized letters. Having a template can help save you time if you are sending a lot of application letters.

Be sure that each letter you send is personalized to the company and position; do not send the same letter to different companies.

  • Always write one. Unless a job posting explicitly says not to send a letter of application or cover letter, you should always send one. Even if the company does not request a letter of application, it never hurts to include one. If they do ask you to send a letter, make sure to follow the directions exactly (for example, they might ask you to send the letter as an email attachment or type it directly into their online application system).
  • Use business letter format. Use a formal business letter format when writing your letter. Include your contact information at the top, the date, and the employer’s contact information. Be sure to provide a salutation at the beginning and your signature at the end.
  • Sell yourself. Throughout the letter, focus on how you would benefit the company. Provide specific examples of times when you demonstrated skills or abilities that would be useful for the job, especially those listed in the job posting or description. If possible, include examples of times when you added value to a company.

Numerical values offer concrete evidence of your skills and accomplishments.

  • Use keywords. Reread the job listing, taking note of any keywords (such as skills or abilities that are emphasized in the listing). Try to include some of those words in your cover letter. This will help the employer see that you are a strong fit for the job.
  • Keep it brief. Keep your letter under a page long, with no more than about four paragraphs. An employer is more likely to read a concise letter.
  • Proofread and edit. Employers are likely to overlook an application with a lot of errors. Read through your cover letter, and if possible, ask a friend or career counselor to review the letter. Proofread for any grammar or spelling errors.

A CV (curriculum vitae) is different from a cover letter in that a cover letter is more concise and a CV is fairly detailed. While a CV includes detailed information about a person’s educational background and work experience, a cover letter is a more concise document expressing interest in the job being applied to.

Also known as a cover letter, an application letter is a summary of your strongest and most relevant skills and abilities that will be expanded in your resume or selection criteria. It introduces you to potential employers and highlights your suitability for the position you are applying for.

1. Ensure your letter is correctly addressed

Make sure that you address your hirer as either sir or madam. Do not be gender biased since you never know who will read your application. Imagine a salutation like ‘Dear Sir’ and the manager or the director for that organization is a madam! She will get upset and bin your applications no matter how qualified or experienced you are.

2. Your letter should vividly display that you qualify for that job qualifications

You can easily show that your requirements meet the position you are applying for by paraphrasing the job advertisement as it appeared in the advert channel. Avoid duplicating the vacancy advertisement and instead, go for vital requirements and show that you really meet all of them.

3. Ensure you are as specific and to the point

ZIMSEC Notes: Writing Formal Letters

One of the possible questions that candidates will be asked to tackle as part of their Ordinary Level English examination is to write a formal letter; called Business Letters in the syllabus. Questions on formal letters are found in Section B of English Paper 1 and are worth 20 marks.

Students are given a scenario or background information that they can use to write the formal letter. It is important to first read the information and understand what it entails. For example if a questions says, “You are an officer with the ministry of Environment and Tourism”, you will have to imagine yourself as one and try and get into the likely mindset of such an officer. Bearing your title in mind will also affect the way you will write such a letter for example you cannot use your school’s address when writing such a letter because in all certainty a person who bears the title of “Office in the Ministry of Environment and Tourism” must have graduated from school.

So bear in mind who you are supposed to be according to the question when composing the letter. Are you a disgruntled customer who was on the receiving end of bad service at a local hotel and are writing to complain about this to the hotel’s manager? Are you a High School graduate who is part of a class that graduated 20 years ago writing a letter to the school detailing your last visit to the school.

The second thing that you need to be aware of when writing a formal letter is the intent of the letter. What is the question really asking you to do? For example if you are an Environmental Officer and being asked to detail your visit on the environmental degradation in an area your recently visited stick to the detailing bit. Do not for example try to suggest possible way to combat this degradation unless the examination question asks you to. Do not complain when you are asked to compliment the service you received at a hotel unless perhaps it is offered as some form of afterthought.  Do what the questions is asking you to do, no more and no less.

Usually the questions will ask you to expand on given points and to add some of your own. You are supposed to use all the points given but expand by adding “flesh” to the skeletal points based on your own experiences and intentions. You are also free to add points of your own to complement these points. Each point should constitute a paragraph, a goal which can be achieved by making it the topic sentence in the paragraph.

The syllabus provides the possibility that some or all the points will be presented to the candidate in the form of a graph, picture or graph. Although this rarely happens, do not bank on the chance that you will not have to face such a question where the information is given in such form. Take time therefore to familiarize yourself with basic charts and diagrams particularly: Bar Graphs, statistical data and pie charts.

You should remember this is a formal letter so make use of formal registers and tone. For example be careful to address people using the proper salutations, titles and work titles. For example Mr. for men, Mrs for married women, Miss for women yet to be married, Ms when you are unsure and for divorcees, Dr. for Doctors and sir/madam when addressing them. You must avoid the use of colloquialisms, cliches and the use of an over familiar tone for example addressing the reception or calling them “my friend”.

Do not make assumptions for example do not use sweeping generalizations such as: “As you well know…” , “It is obvious…” etc.

You do not necessary have to present the given points in their given order. Adopt them and present them in a way that is more natural to your letter and make more logical sense to you.

Shakespeare said ;”Brevity is the soul of wit”, considering how hard pressed for time people in the business world are, it is always important to be as brief as possible without sacrificing clarity and meaning while not writing long winded letters that are likely to test the patience of readers. Be succinct.

Also you should always include your standing in the letter after your signature. That is who you are with regards to the subject matter of the letter. For example are you a customer, are you an executive at a rival firm, a lawyer, an Officer in the Ministry of Environment and Tourism. In the first paragraph you must also include an appropriate introduction stating for example why you are writing to the letter and if applicable references to other previous correspondences or attached documents.

Finally you should know that both addresses go to the left hand side of the page. While your address used to go to the right hand side of the page this practice has since fallen out of use. This might have been brought about by the extensive use of typed letters which make use of letterheads which tend to be either centered or left-aligned. Also you should not that in actual business correspondence, the addresses are often now omitted due to the rise in use of emails. ZIMSEC still requires you to include the addresses however, so take care to do so.

The address you use depends in no small part to the question. If the question somehow changes who you are as has already been touched on above, you should take care to create an appropriate address for yourself instead of using your school address. The title of the recipient may also have to be made up; be sure to create a title that is both believable and appropriate in the circumstances. The same applies for the address of the recipient: it does not have to be accurate; just believable and appropriate.

What to Include in Your Cover Letter Outline

Your cover letter for a teaching position should showcase your passion and personality and reflect your enthusiasm through the language that you use. It should include what your goals are and why you decided to become a teacher.

Research the school’s current needs then explain what you can bring to the table to help address them. Similarly, examine the job posting and highlight the various skills and experiences that make you the perfect candidate that it’s describing. Lastly, talk about what makes you unique and sets you apart from others. What will you bring to the job that the hiring manager hasn’t heard a hundred times before?

For example, if the reason for rejection was lack of experience, you can mention that or if the assignment that was given to them was not up to the mark then you can write that.

Here are some tips that can help you personalize the rejection letter-

Let’s say you never expected this moment to arrive. After completing the interview process , you suddenly realize that this job is not what you hoped it would be. You applied because you had a certain set of expectations , or there was always a seed of doubt, and somewhere along the way you didn’t want the job. There could also be another more attractive offer that just came in. How do you convey this to the hiring manager who has just congratulated you, saying they’re eager to start working together? How do you politely decline a job offer without burning any bridges? Follow along for how to politely decline a job offer over email. You’ll also find some helpful samples to expedite the process.

Every hour counts

You’ll want to act efficiently and decline a job offer within 24 to 48 hours upon receiving it. Because you’re already concerned about what the company or potential employer is thinking, notifying them as soon as possible is the most professional course of action. The more time you spend delaying your response, the higher the risk that their recruitment decisions will be in limbo. This has the potential to cast an unfavorable light on your profile, and their next prospective candidate to replace your job is also left in the dark.

Giving them a response within one or two days allows the entire process, also on your end, to come to a close. Although it seems daunting, the quicker it’s over, the faster you all can move on.

A simple, straightforward email

When you begin composing your email to decline a job offer, simplicity is your best friend. There is no need to set up an entire backstory rife with apologetic explanations as to why you’ve come to your decision. Likewise, superfluous complimenting about every person you’ve spoken to or the values of the company will only make it, yes, more awkward. So long as you maintain a respectful tone, with a decent amount of honesty void of any sentimentalism, then you’ve got yourself a successful email to decline the job offer.

Remember, at the end of the day, this is a rejection letter that they’ll be receiving. They’ll want to be informed about it right away, not searching through any cryptic sentences for clues as to why.

How exactly do you show your gratitude, when you’re the one declining the job?

With that in mind, you don’t want to be disrespectful at all. While you want to be clear in your email, you’ll want to avoid sounding like you never cared about them in the first place. Craft your sentences with appreciation for the offer. Thank the hiring manager and recruiter for the time that they invested in interviewing you and giving you the job offer.

Empathy goes a long way

Recognize that although you’ve made your decision, you understand that you might have squandered their time. They took the effort to go through your application out of many others, spoken to you online or in-person. Perhaps they’ve had to say no to other applicants who would have been right for the job.

Steer away from sounding heartless

Acknowledge that this decision is the best for the both of you, but be sure to do so without a brash voice. Prioritize the clarity of your message, while also using a professionally polite tone. Considering the guidelines listed above, let’s take a look at five samples of declining a job offer via email. The language in your email should be concise, empathetic , and respectful.

I liked the illuminating write up by Kirit Patel on The Fiji Times 155 anniversary (FT 4/9). I also liked the accompanying photo of  The Fiji T imes Suva office staff in their own individual attire rather than the kalavata which has become something of a boring feature of State functions. 155 years, and the people’s newspaper, which is the trusted brand, is getting bigger and better. Kirit Patel stated aptly (FT: 04/09): “Our resilience is a testament to our commitment to the core values of truth, independence, and fair reporting to the people of Fiji.” The courageous editor-in-chief Fred Wesley added: (FT: 04/09), “The path ahead is filled with both opportunities and challenges, but we face them with optimism and determination. The legacy of The Fiji Times is built on resilience, and we are committed to carrying that forward, ensuring that our brand continues to stand for truth, accuracy, and a dedication to the public’s right to know.” Both are saluted for their leadership, vision, commitment, perseverance and dedication in holding the fort. The Fiji Times has been a beacon of reliable information, a platform for diverse voices, and a witness to the evolution of Fiji and the world at large. Visa waiver

New Zealand has granted us a transit visa waiver when travelling through Auckland Airport. Is this the outcome of our DPM Professor Biman Prasad’s national level negotiation? What a “shallow” bilateral relationship, in my view. The issue of “free visa entry” has been a long time stumbling block for Fiji passport holders and not one of our previous governments has really made an aggressive attempt for its relaxation. What about the “Fiji – Australia Vuvale Partnership”? This was first signed on 16/9/19 and an elevated version was renewed on 18/10/23 by Mr Rabuka. We have witnessed and appreciated the economic development, security, human development, etc, that both NZ and Australia have contributed as foreign aid. On the same token, what is so difficult about the “free visa entry”? After all, both have starved Fiji of our labour in the form of NEC, which was under suspension for seven months due to a backlog of 30,000 applications. Death penalty, drugs

Perpetrators, killers, drugs peddlers and murderers do not deserve the death penalty according to the Methodist Church president, civil society organisations, ministers and Prime Minister Sitiveni Rabuka. But if a man walks up to you — a totally innocent woman, man or child and shoots you with a gun or stabs and kills you, do you deserve to die because that man is under the influence of dangerous narcotics or alcohol for that matter? Or is it anyone’s right to terminate a life? Will the Methodist Church pray to bring back to life the innocent victim? The Junior Kula girls coach was quoted: “that if need be the team will swim to the playoffs”, after the 0-9 defeat by Brazil and another 0-9 by Canada the coach should swim back to Fiji Football Association headquarters in Suva. No personal ill-feeling but with these kind of rugby scoreline, it would have been better not to waste money going into these playoffs. The standard of soccer is a far cry for Fiji Football compared to overseas teams. The other week, I wrote in stating that as a visa agent based in Suva, it breaks my heart when the visa applications for the wives of workers in Australia under the 403 or 408 visas are rejected. I brought up the latest refusal case where the working husband in Australia had $16k in his bank account and the wife in Fiji had nearly $3k in her M-PAiSA statement. The wife’s visa application was not granted and the reason was that she did not have adequate funds. My client was advised to re-lodge her application and this time submit her payslips, bank statements, yaqona farm photos, FNPF statement and her house photos in the village. On Thursday night, I re-submitted her application and on Friday, she received a one year multiple travel visa! Wow! Thank you very much, Australian Immigration! Does this mean that the Matavuvale partnership between Fiji and Australia is in place? Not so sorry?

Reconciliation involves sharing the truth and accepting it. But forgiveness is another matter. It is easy to say “sorry”, but harder to prove it by restoring what was lost. There are some who could say things like: “You stole my cows”, “You burned my house”, “You looted my shop”, “You bashed my father”, “You took my land”. But, “sorry” will not restore these victim’s situations. Justice is the proof of regret and genuine apology. Justice involves restoration. Clean energy solutions

I read, with considerable interest, the article in The Fiji Times on 4/09/24 by the Senior Energy Specialist from the ADB. He tries to make a case for some sort of ‘unity’ amongst the Pacific Energy regulators to harness greater resources and support to assist in the transformation to clean energy. The article is full of nice high sounding diplomatic language and theoretical options but fails to provide any tangible suggestion how ADB, and other development partners for that matter, can make this happen. The ADB has been a key player in the energy sector for decades but still seems to talk about capacity and institutional constraints, and seems to lay the blame on countries for lack of coordination etc. The question I have is whether the development partners are coordinating and collaborating for greater effectiveness and impact. We have scores of development partners in the energy sector and most seem to come and start from the same old baseline of assessments, workshops in the name of capacity building and little implementation. How else can one explain that even the smallest island in the region, with a power demand of only a few MWs, has not been able to wean itself from expensive imported fossil fuels. Can we have better accountability from development partners like ADB, World Bank and bilateral donors which are competing to fly their flags even higher in the region? I have more than 100 clients who are originally from Zimbabwe. Most are highly qualified specialist nurses, aged care givers and others who work in IT and management roles. May I add they all are very highly paid, and many have multiple properties in Australia. Some of them have the best and most pleasant names such as Loveness, Blessing, Charity, Fortunate, Future, Innocent, Melody, Perfect, Pious and the list goes on. I just love it, and I cannot get enough of it. Of course, Zimbabwe is a basket case, where the vulagi who built the country have all been chased out of the country and their land and businesses have forcibly been taken away. Corruption, arrogance and racism is rife, not to mention the violence and a failed state. Who are they going to blame now? The cream of the crop has seen the light and have left for greener pastures and Australia is a lot richer for their presence and their work here. Just after 6.30am on Sunday, September 1, 2024, on our way to attend 7am Mass at St Michael’s Nadi, as we drove through Sahu Khan St, the road along Nadi market was littered with so much rubbish. It was an eye-sore. It gives an extremely bad image of Nadi as a “Jetset” town. It does not need to be this way. Is it possible for our council employees to pay particular attention in this regard? Most municipalities overseas get “tidied” up before sunrise. Can the same apply here? We must do better. Can an attempt be made please?
