College Student Planner

Free digital or printable college student planner to get you organized both at school and after school and to help you study.

student planner

I graduated years ago and yet I still have nightmares that I didn’t prepare for an exam or I have an assignment to submit that isn’t ready. College is stressful with so many commitments, deadlines, things to remember, and on top of all of that you most probably want a social life. If you are not organized, things will fall through the cracks. Assignments won’t be ready on time and you will find yourself cramming for exams with not enough time to finish the material. The only way to stay on top of homework, assignments, tests, and other commitments is by planning meticulously and staying organized. It will save you time and headaches and keep you calm so you can enjoy what should be a fun and exciting period of your life that you will look back on for years to come.

One of the reasons that I did well in law school was that I always used planners to get and stay organized. I used those same planners when I did my MBA years later and they proved helpful yet again.

I am happy to share my college student planner with you and I hope that it can help you as much as it helped me. There are different versions for each page so you can mix and match planner pages to create the perfect college planner for your needs. This is a 12-month academic year calendar and you can start any month you want.

There is also an additional and optional section to prevent procrastination, help you study less, and get more done.

If this is not the ultimate student planner for you then see the best planners for college .

These are some of the pages in the free digital and printable student planner. With the printable college planner, you can print as many copies of each page as you need. You don’t have to print pages that you don’t need. With the digital version, you have binder dividers with links to every page in the planner.

College student planner

This is the cover page , class info, class schedule (to keep track of your schedule), and course and credit tracker.

text book tracker

There is a two-paged college list in the planner to help you pack. See college packing list for more formats you can download.

There is a section for each month with a daily planner , weekly planner , monthly planner , study tracker, assignment tracker, homework tracker , project planner, essay planner and a to-do list . If you don’t want daily and weekly planning pages then you can delete pages on the digital planner or not print them on the printable academic year planner.

The calendars are available in daily, weekly and monthly formats to help you plan your days and weeks. You can use the monthly calendar to plan ahead when you need to schedule exams or assignments.

Monthly planners

Many of the sections are unique to an academic planner such as a study tracker, assignment tracker, essay planner, project planner, etc. Add the due dates of assignments in the month they are due or the month during which you want to prepare them. Whatever works for you.

Keep track of important dates such as exams, assignments, and extracurricular activities in the monthly calendar so you can see the bigger picture. The monthly overview is an important tool to ensure you are organized and help you with time management.

If you don’t check your schedule on a regular basis then set notifications on your phone so you don’t forget to submit papers or study for exams.

notes, sketches and checklist

There are note pages, space for sketches, and checklists. Use these sections to draw things like a vision board , mind map, class tracker, etc.

The advantage of a DIY planner is that you can totally customize each section to meet your specific needs. There are sections on the site that you might want to add to your planner.

A daily planner , weekly planner , monthly planner , homework tracker (there is one in the planner but this section has more options), goal planner and goal tracker , gratitude list or gratitude journal , password log , and a to-do list .

The college planner includes 12 months and has tabs from January to February. You can start your year any month and continue for 12 months. For example, if you want to start in July 2023 and end in June 2024 then click on the July tab to start and keep going until June.

You can add pages from other planners such as a habit tracker , self-care section, goal planner sheets, morning routine , etc.

Is there a way to change the name of the tabs because I want to delete some of the pages and things I don’t need and I’d like the months to be on the right side instead of the bottom, like switched, for the student planner.

Hi Carmina, There isn’t really a way to change the name of the tabs (unless you write on them). You might find one of the other digital planners better for your needs.

My Desk: Assignment Schedule

updated

The major thing different in college classes from high school classes is the syllabus. I don’t know about you, but my syllabus in high school was always pointless. It always stated the same grading scale, the same attendance policy, and the same general information about every class.

In college, it’s different. Some professors put some assignments on the syllabus and then never speak of them again. No reminders the day before it’s due, no mentioning it in class, nothing. You need to be on top of your own work.. and I  love that.

I have to admit, it was a little intimidating at first… but then I found this idea for an assignment planner by Kirsten at Organized Charm . I loved it.

So this idea was 100% from her. I changed it a  tiny bit to fit me, but not much.

First, I gathered all of my class syllabus’ ( syllabi?) together and highlighted all the important dates: due dates, exams, field trips, whatever I had to remember.

1 for the due date, 1 for the class, and 1 for the assignment.

Below that I merged the row together and wrote the first month. Then I skipped about 10 rows and wrote the next month.. and repeated until all the months for the term were on there.

Go class by class so that you don’t get overwhelmed with having to go day by day.

Once you’ve entered in all the assignments, arrange them by due date. If you’re not computer or spreadsheet savvy, this one might get a little confusing for you so I’ve laid it out in small steps below.

 1) Highlight the Area

Click on the cell in the top right corner of the month  (the first due date)  and drag until you have selected all the assignments, classes, and due dates for that month.

2) Click the A-Z Button

Click on the button on your toolbar that says A-Z. There should then be a menu telling you a variety of different things. The most common is that it will say sort it A-Z (alphabetically) but that is not what you want to do. If it already says to sort smallest to largest, just click that and you’re done. If it does not, then click on the  custom sort button.

3) Custom Sort: Smallest to Largest

When you click on the custom sort button, this box should pop up. Simply select to sort column A (your due date column) by smallest to largest and press ok!

Go on and select the rest of the months and do it again one at a time.

Now that you’ve  made the spreadsheet, how do you  use  it?

I have mine taped up right next to my desk. When I start an assignment I highlight it in yellow . When I finish an assignment I highlight  over  the yellow highlight in orange . Then when I turn the assignment in I cross it out with a black pen. This way I can keep track of every step of the process.

Using this spreadsheet has already saved my grade, and I’m only 6 weeks into the semester! I was leaving for my morning class and I wanted to make sure that I had finished any homework due for that day, so I glanced at my assignment planner before I left. Turns out I had done the homework for that class, but I hadn’t done the homework for the one after it! It was an assignment that my professor had put up on the syllabus but had not mentioned anything of it in class. It was a very simple task, so I did it while I was waiting for my first class to start.

Turns out that everyone in that class forgot to do it, except me! Luckily I had the time to remind a couple of my friends in that class to get it done, and they were able to turn it in on time.

Since I made this planner one of my roommates has stolen the idea as well and made it her own. She doesn’t print it out, just keeps it as a spreadsheet on her computer, and strikes it off digitally every time she completes an assignment.

This spreadsheet is only  one of the ways that I make sure I’m on top of my work. My main source of school organization is my planner , but my  favorite ? My post-it note calendar. I absolutely love my post-it note calendar.. but that I’ll be saving till next time!

What do you do to stay organized for school? Tell me about it in the comments and maybe I’ll try it out!

I love this! I’m going to give this a try this semester, along with the post it note calendar for weekly assignments. One change I’m planning to make to this sheet is adding a ‘Do’ date column so I know what date I need to get it done. I have a couple of online classes and the due dates are week long ranges (i.e. Jan 11-17). So a Do Date will help make sure I’m not waiting until Sunday night to get everything done. Thanks for sharing this!

Awesome! Update me and let me know how they work for you, I’d love to know how you use them! That “Do” date column sounds like a great idea, I might have to try that out.

Customizing a semester class schedule template in Excel

november 15, 2023

A woman with strawberry blonde hair smiling at the camera, wearing a green top.

by Kat Norton

This free semester calendar template is an awesome way to keep your class schedule organized! It takes just a few moments to set up, and will make managing your busy schedule even easier. I have a few tips for creating a schedule that's functional, easy to use, and pleasing to look at.

An image of an excel semester calendar template

With a mix of virtual and in person learning, it's crucial to stay on top of where your classes actually are. The first thing I want to customize in this class schedule template is adding a column onto the “Class list” tab for the location of each class. I'm going to select that column and then right-click and select the Insert option to add a column to the left of it. From here we can label it “Location” and add in that information.

Another way we can customize this Excel class schedule template is with some conditional formatting on the “Deadlines” tab, so we can easily see when a deadline is coming up. Whether it's homework, a presentation, a test, or any milestone in between, having a clear understanding of upcoming deadlines helps me know what's due when. We'll use conditional formatting to create e visual indication of how to prioritize work and effort.

Highlight the “Due date” column, and on the Home ribbon select Conditional Formatting . From here we can use the Highlight Cell Rules option and select a Date Occurring option.

Lastly, we can set up some rules to make items change color when it's due soon. Now any time a deadline falls into the “next week” category in the semester calendar template, it will change color so we know to prioritize it and put it at the top of our list.

Hope you found these tips helpful! Check out more schedules and planning templates at Microsoft Create.

College Spreadsheet: The Ultimate Guide to Making, Using, and Organizing Your College List

College spreadsheet

  • By Matthew Schwartz

Published July 22, 2023 | Last Updated July 18th, 2024 at 11:16 am

Are you feeling overwhelmed by the college application process? Do you need help keeping track of various colleges you’re interested in? A college spreadsheet might be the solution you’ve been seeking. This guide explores what you need to know about making, using, and organizing your college list through a well-structured spreadsheet.

What is a College Spreadsheet?

A college spreadsheet is a digital document created using software like Microsoft Excel, Google Sheets, or similar applications. It serves as a centralized database for organizing information about the different colleges and universities you are considering.

What’s the Purpose of a College Spreadsheet?

Organizing a list of colleges can seem daunting — and in reality, it often is. Information floods into students’ mailboxes and inboxes, and keeping it all straight is a challenge. As a solution, many students and parents make college search spreadsheets listing colleges and what they offer. To get started, you’ll need to answer a few questions, such as:

  • How should I make a spreadsheet?
  • What should be on the spreadsheet?
  • What information is most useful?
  • Who else will see this spreadsheet?
  • Where can I find data and other information for the sheet?

What Platform is Best for a College Spreadsheet?

The first step to creating a college spreadsheet is deciding which platform to use. Here are the three main programs you can use to create your spreadsheet, each with pros and cons.

Google Sheets

  • Collaborative
  • Accessible from any device
  • Lots of online support
  • More limited functionality
  • Internet required
  • Industry-standard
  • Lots of features
  • No collaborative features
  • Can be complicated to use
  • Extreme ease of use
  • Fantastic organization options
  • Features allow for super simple sorting and filtering
  • Less than ideal collaborative option
  • Some features stuck behind a paywall
  • May be unfamiliar at first

While all three services are fully capable of being used to organize your college list, unless you’re directly sharing it with a college counselor, we suggest trying Airtable .

What Do I Include in a College Spreadsheet Template?

After choosing the platform your spreadsheet will be on, the next step is to take whatever list of colleges you have and import it into the spreadsheet. In the adjacent cells, add general information, such as links to the schools’ websites or locations. Also, create a cell to input notes about specific colleges.

For each family, there will be unique things they want to list about each school; however, there are a few things a thorough college spreadsheet should have:

  • SAT/ACT Test Optional Policy
  • Average Test Scores
  • Average GPA
  • Cost of Attendance
  • Average Need-Based Aid
  • Acceptance Rate
  • Average Merit Award for Freshman Without Financial Need
  • 4 Year Graduation Rate

If you want to be more advanced, examples of additional data to include are:

  • Number of Undergraduate Students
  • If Early Decision Is an Option and What the Early Decision Rate Is
  • If Early Action Is an Option and What the Early Action Rate Is
  • College Major Your Student Is Interested In
  • If the CSS Profile Form Is Required
  • Percent of Students Who Graduate With Debt and How Much Is Their Debt
  • Size of the College Endowment
  • Percentage of Freshman Without Need Receiving Merit Aid
  • Percent of Need Met

If you want to include some “softer” pieces of data, you might add:

  • Quality of Food
  • Housing Requirements and/or Guarantees
  • Study Abroad Programs

By the end of your college search, you should have a clearer idea of which schools you would like to apply to, but be sure to consider how many schools you should apply to.

Where Can I Find This Data?

Choosing what information you want to know about each college is simple, but going out and collecting that data is a whole different story.

You want the information you gather to be accurate and current since it will influence one of the most important decisions of your student’s future and family’s financial life.

There are four main ways to fill out your spreadsheet.

1. Using Google

The most straightforward way to fill out your spreadsheet columns is to take each piece of information, enter it into Google, and then add the name of the school you’re looking for. For example, if I needed the admissions rate at Harvard, I would simply type “Harvard Admissions Rate” into my search bar and copy the top result.

While this method seems easy enough on the surface, it can get tedious when forced to keep going back and forth between your spreadsheet and Google, clinking through links, waiting for web pages to load, and then finding the data on that page. This may be the most time-consuming method of the four options. Additionally, some information may be difficult to locate as it’s often buried deep within a college’s website.

2. The Common Data Set

Another potential option is to use the Common Data Set (CDS), a database of information pooled together by data providers in the higher education community and publishers such as the College Board , Peterson’s , and U.S. News & World Report .

To use the Common Data Set , go to Google and enter the school of your choice, followed by ‘Common Data Set.’ Click on the first link associated with the school’s official website.

For example, I searched ‘Harvard Common Data Set’, and clicked the top result . What comes up is typically a PDF filled with small font and at least 30 pages of information. The next step would be to sift through each page until you find the specific information you’re looking for.

The upside to using the CDS is having all the information for one college in one spot. But you’re still forced to repeat the process for every college and, most importantly, decipher the language and formatting used in the CDS. It can be confusing as it’s mostly meant for publishers and online databases, not individual students.

Similar to the Common Data Set, the IPEDS, or Integrated Postsecondary Education Data System, is a website run by the National Center for Education Statistics. The website has many different options for helping you navigate your college search, but the one that pertains to a college spreadsheet is their ‘Search for a College’ option.

This feature allows you to type in the name of the school you’re looking at and find a list of multiple drop-downs that each feature their unique information. There’s a lot of information presented, more than most people would ever need, and it can sometimes make it hard to find what you really need. Additionally, you’ll have to repeat this process for each college you want information for.

4. Road2College’s R2C Insights Tool

The final choice is available on the very website you’re currently visiting. Road2College’s R2C Insights Tool is an app that’s like a college spreadsheet already built for you.

Instead of searching for each college on a separate webpage and looking through pages of complex information, the R2C Insights Tool gives you access to important, easy-to-read information for multiple colleges simultaneously. The information has already been compiled from IPEDS and the Common Data Set, presenting which data is most important for families to review in a clear, easy-to-use search tool.

R2C Insights can also show you colleges similar to the ones you’re already looking at based on the filters you apply. Once you have the colleges you want, add them to your personal list or lists.

You can try it out for free here .

Why a College Search Spreadsheet Is Important

There are a lot of factors that go into your family’s decision about where your student will go to college. It’s an important emotional and financial decision.

When making this type of decision, data is important. It gives you the foundation to make solid comparisons of one school against another. Would you purchase a car by going to only one dealer and not looking at the MSRP sticker on the car window? If not, then apply the same “shopping” philosophy when searching for colleges.

Unfortunately, existing college search sites, and the colleges themselves, don’t make it easy to gather the information families need to compare colleges. So it’s up to you to do the leg work. But in the end, this type of work will be worth it.

Use  R2C Insights  to help find merit aid and schools that fit the criteria most important to your student. You’ll not only save precious time, but your student will avoid the heartache of applying to schools they aren’t likely to get into or can’t afford to attend.

College Application Spreadsheet (Free Template + Guide)

  • Last updated December 14, 2023

Deciding your preferences for college can be a huge undertaking. Excluding your emotional attachments to the prestige of certain schools, you have to worry about your grades, extracurricular activities, and everything else associated with qualifying (Hopefully, your parents had a good 529 plan  in place). Building a college application spreadsheet can help to take some of the stress out of the situation.

This guide will show you how to build a college spreadsheet from scratch in Google Sheets as well as some tips for the process. If you don’t want to build your own spreadsheet feel free to use our college application spreadsheet template.

Table of Contents

Why Is a College Planning Spreadsheet Important?

You must put a lot of thought into which college you wish to attend . It’s not only an emotional decision but can also be a financial one. Data is essential when choosing the right College or University for you. A college spreadsheet provides you with the framework for drawing reliable comparisons between different schools and make it easier to check off the list of tasks  for your applications.

Deciding Where to Make the College Spreadsheet Template

Now that we know why making a college list spreadsheet is essential (like my reading list spreadsheet  for New Years), let’s look at the best program for creating the spreadsheet. Every software has pros and cons, and the decision is ultimately up to you.

Microsoft Excel

Microsoft Excel is the industry standard spreadsheet tool, and it has several features that make it perfect for use. It has a lot of online support. However, Excel can be difficult to use, especially if you’re a beginner. It has no collaborative features, so there may be better options if you want to share the spreadsheet with your friends and family.

Airtable is another excellent option for creating a college tracker spreadsheet, as it is effortless and has fantastic organization options. It also has features that allow you to filter and sort your data. However, it is less than ideal option for collaboration, and some of its features are stuck behind a paywall. Compared to Google Sheets and Microsoft Excel, this software can be unfamiliar to many users.

Google Sheets

Google Sheets is slowly becoming an industry standard spreadsheet software , mainly because it has a lot of online support and allows for seamless collaboration among various users. It is also accessible from any device, so you can load it up without taking your spreadsheet offline. However, it does require the internet to function and has limited functionality compared to software like Excel.

For creating a college spreadsheet example, we will use Google Sheets as we don’t need to do a lot of complex calculations. Google Sheets will also make it easy to create a shareable template.

Things to Add to a College Application Spreadsheet

After choosing software to make the college decision spreadsheet template, the next thing to do is to take the list of the colleges and import them into the sheet. In the cells, you can add data containing general info, such as links to the college’s websites and their locations. You can also create a cell that can input any additional data about the college.

Every individual can create a college decision spreadsheet catering to their specific requirements per college. However, there are a few things you must add to it. These are:

  • ACT/SAT Test Policy
  • Average GPA
  • Average Test Scores
  • Cost of Attendance
  • Acceptance Rate
  • Average Need-Based Aid
  • 4-Year Graduation Rate
  • Average Merit Awards for Freshmans Without Financial Needs

If you wish to be a bit more advanced, you can add data such as:

  • Number of Undergrad Students
  • Early Decision Rates in case they are an option
  • Early Action Rates in case they are an option
  • The major you are interested in
  • CSS Profile Form requirements
  • Percentage of students graduating with debt.
  • How much is the debt
  • College endowment size
  • Percentage of need met
  • Percentage of first-year students without merit aid

You can also add optional data like:

  • Food quality
  • Housing requirements
  • Abroad study programs

You should have a clearer notion of the colleges you want to go to by the time your college search is over, but be sure to consider how many schools you should apply to.

How to Find the Data for the College Application Spreadsheet Checklist

Choosing what information to add to the college spreadsheet template is simple. However, collecting the dataset can be a different story. Since the data you acquire will impact one of the most crucial choices for your future and your family’s financial stability, you need it to be up-to-date and accurate.

There are three main ways in which you can fill out the spreadsheet.

The simplest method for filling up the columns on your spreadsheet is to type each element into Google, followed by the name of the college you want the information for. For instance, you could write “MIT Admission Rate” into Google’s search box and copy the first result if you wanted the school’s acceptance rate.

This could take up much of your time as you must keep going back and forth and copy-pasting the information into the spreadsheet. Some of the information can take some time to get as it can be buried deep in the website for the specific college.

The Integrated Postsecondary Education Data System, or IPEDS , is a website managed by the National Center for Education Statistics, much like the Common Data Set. The website offers a variety of choices to assist you with your college choice.

With this service, you can enter the name of the school you’re interested in and get a list of dropdown menus, each containing information specific to the college. You will get more information here than you possibly need, which can sometimes obstruct valuable information.

You will have to repeat the search based on the number of colleges you wish to add to the spreadsheet.

Common Data Set (CDS)

You can also get the information using the Common Data Set (CDS) , a database containing information compiled by publishers like Peterson’s, College Board, and U.S. News. To use the CDS, go to Google and enter the college of your choosing, followed by the term “Common Data Set” Click on the link to the page containing the data.

How to Create a College Application Spreadsheet Template

There are multiple factors you should consider when creating a spreadsheet. What you add to the college application tracking spreadsheet depends on you.

In this example, we are going to create a college list template. The user can add various colleges and compare the information to check which college is best suited for them.

The best part about creating this template is that it doesn’t use formulas. However, you do need to format the data in this spreadsheet properly. Related Reading: Google Sheets Debt Snowball Spreadsheet Template

Here are the steps to follow when creating a college spreadsheet template in Google Sheets:

Building the title for a College Application Spreadsheet

  • The first thing we will add is the label in an empty spreadsheet. Although this is optional, it can make your college application tracking sheet look more visually appealing. You can do this by merging the cells to give more space for the college spreadsheet title. Then, write the title in the cell and apply text formatting. You can change the font color and the fill color for the cells. Feel free to change the font as well.

Adding data to the college application spreadsheet

  • Now we have to add all the elements into the college spreadsheet template for Google Sheets. These are the things we talked about in the heading above. For this template, we divided the elements into specific sections. You can also format the text by adding borders and changing the fill anYou can add borders be added by clicking on the grid icon in the main bar.

How to insert checkboxes in Google Sheets

  • Some of the options in the spreadsheet only need a yes or no response. Writing this in the spreadsheet can be time-wasting, so we can add a checkbox here instead. To do this, click and drag to select all the cells where you wish to add the checkbox. Now, click on the Insert button in the main top bar. In the dropdown menu, click on the Checkbox button.

Feel free to add or remove the information depending on your preferences.

Download the Premade College Application Spreadsheet for Google Sheets

This template serves as a general template that you can use if you don’t wish to go through the process of creating a spreadsheet from scratch.

Wrapping Up

If you don’t want to create your own college application spreadsheet from scratch, feel free to use the template we provided and edit it to your needs. However you go about it, we wish you the best of luck in your college application process and you find the perfect school to attend.

Description

Are finances keeping you from college? This student budget worksheet will help you with college budget planning for each semester. It includes many school-related expense categories, so you can get a good realistic start on your budget.

A budget is only as good as the information entered into it.

  • Make sure that the numbers you are using are accurate.
  • Look at past bills for items such as cell phones and memberships.
  • Call the college and ask for help.
  • The finance/tuition office may have additional information or there may be a student life office with real college students willing to help you.
  • Call around and get quotes or details from housing and insurance companies.

Doing all of this is especially important if you are traveling some distance from school as the cost of living may be significantly higher than where you live currently. See the blog article below as well as the College Savings calculator for more information about saving for college.

More College Budget Tips

  • After you've created your student budget, STICK TO IT. Track your actual expenses each month and watch your discretionary spending. Try Vertex42's free Money Management Template to help you track your actual expenses.
  • Be careful when borrowing for college as the interest can quickly add up.
  • Having problems paying for college? Not all your expenses are really required. Are there items you can do without in order to obtain a college degree?
  • Get a debit card from a bank close to your college. This will cut down on ATM fees and keep you from borrowing on credit.
  • Parents ... use Paypal or bank transfers to help transfer funds to your student.
  • Meal plans can be a great value – if they are used. Don't fall into the trap of heavily supplementing your meal plans with groceries or fast food.
  • Many students can qualify to remain on their parent's medical insurance. Check with your insurance company for specifics as new regulations are improving the rules.
  • Consider purchasing used books rather than new. Better yet, get to know an upper classman and either borrow or "rent" their books.
  • Make sure to have a small reserve for emergencies and unexpected expenses.
