How to write a good cover letter

No one likes job hunting . Scouring through online jobs boards , spiffing up your resume, prepping for grueling interviews — none of it’s fun. But perhaps the most challenging part of the process is writing an effective cover letter . There’s so much conflicting advice out there, it’s hard to know where to start. Indeed, in an age of digital communication, many might question whether you even need a cover letter anymore.

In many instances, a cover letter is the first element of your job application that your prospective employer will read, often ahead of your CV . For that reason, it’s vital that you get it right – and that means knowing how to write a cover letter that will grab the recruiter’s attention for all the right reasons.

A poorly crafted cover letter that fails to clearly articulate why you are the ideal candidate for the role, or one containing bad grammar and spelling mistakes, will result in your application getting dispatched to the reject pile. But a good cover letter can work wonders in convincing an employer of your credentials and your professionalism, as well as providing insights into your personality and character.

1. Start strong:

First impressions last – The opening paragraph needs to grab your potential employer’s attention and wow them with your suitability for the role.

Make sure you address the letter directly to the person named on the job ad. If there’s no name, or you’re applying speculatively, use LinkedIn, Twitter or Facebook to research and find the name of the relevant person (preferably someone within HR or a director or manager within the department you’re applying to).

2. Do your Research about the Company

Before you start writing, find out more about the company and the specific job you want. Look at the company’s website, its executives’ Twitter feeds, and employee profiles on LinkedIn. Do some research beyond reading the job description. Knowing the company better also helps you decide on the right tone to use in your cover letter. Think about the culture of the organization you’re applying to. “If it’s a creative agency, like a design shop, you might take more risks but if it’s a more conservative organization, like a bank, you may hold back.” 

3. Choose your best bits

It is the time of the year when we make resolutions, some of which could be getting a new job. Some are out of work not because of their own making but because of the effects of the long lockdown. Writing application letters can be a daunting task and in most cases ends in despair. Nothing is as painful as not getting feedback from a prospective employer. I remember last year, I wrote to the New Vision through their Guest Writer email but I have never received a reply from an institution that makes us believe in transparency and professionalism. If we received replies, perhaps we could learn from mistakes in previous attempts and therefore improve – but that is not the case in Uganda.

As teachers especially in private schools, it is around this time that we are asked by even our own employers to re-apply. I can imagine the confusion one goes through when you see an advert on social media calling for applications in a subject you teach posted by the same school you serve. But you are not alone. I for one applied for teaching jobs for four years from 2004 to 2007 without success. That frustration is what gave birth to my hustle (E-zone Internet cafe and E-zone School of Computing ) when I gave up on applying for jobs.

It is now out of experience that I write this simple guide to help our young brothers and sisters out there with the hope that this year their job search becomes easier.

The sections of an application letter

Sometimes we make mistakes when writing application letters when we leave out some sections of what is regarded as a standard letter. It is good to include all the sections since the application letter covers the gaps that an employer may need just in case they don’t read your CV. This letter must explain in brief about you and why you think you are the best candidate. In case that a prospective employer reads it, they are tempted to visit your CV and gradually an invitation for an interview. The following should be included in your letter.

  • Your address
  • The date of writing the letter
  • Prospective employer’s details
  • Ref with position detail
  • An introductory paragraph explaining the purpose of the letter
  • A paragraph describing your skills that meet the job you are applying for
  • A paragraph describing any other skills that may be of help
  • A paragraph about personal attributes
  • A conclusion stating your availability for an interview or further inquiries about you
  • Your salutation

Choice of fonts, font size and font color

While word processors have a variety of fonts, it is important to to stick to basic fonts when writing an application letter. Curly and fancy fonts may look cool to you but are a big turn off in the eyes of prospective employers. Personally, I have found fonts like Calibri, Century Gothic, Times New Roman and Tahoma good enough. It is advisable to avoid fonts like Brush Script MT, Cooper Black, Comic Sans, Algerian e.t.c.

The size of fonts would be ideal if it is between 11 and 14. Font sizes below 11 will give most people a hard time to read while those above 14 make the document appear more of a poster than an official letter.

Finally, stick to black for font color. Anything outside that is a big no.

Keep your letter brief.

Imagine you are an employer and you have hundred of letters to read through before you make a choice. How hectic it would be to read through a 2 or 3 page application dozens of times. Chances are that in the midst of this variety, employers will prefer to go through one page documents while looking for information that best suits the type of candidate they wish to employ.

I strongly advise to put all the best of your experience, skills and competencies in a one page letter that will quickly catch the eye of your prospective boss. However, being brief does not mean creating a document that doesn’t bring out the best in you. Some people are too brief that they will only write 2 paragraphs, 1 asking for the job and the second hoping for a positive reply. In this case, no employer takes you serious.

Avoid slang

The use of slang in our day to day communication should not overrun you and apply it in an application letter. You have to use as much good English as is acceptable, after all, you have spent atleast 15 years under classes whose main mode of instruction is in English.

You don’t have an excuse for writing broken English neither should you use street language in formal communication.

Ask someone to proof read for you

We can’t know it all even when we are talking about ourselves. It is therefore good if you could get someone more experienced than you to go through your application letter. There could be a few details to polish before sending it to a prospective employer.

One more tip! Do some research about the school and job

While writing an application letter to a prospective employer, it is good if you made some background search about the institution. Including a small detail about them like I did in the second last paragraph of my sample will certainly put you among the top candidates to invite for an interview.

The job search in Uganda is a full time job. Don’t despair when you don’t get feedback after several tries. I personally tried for four years and still failed. But now, I am battle hardened and with that comes a lot of wise information that could be of help to you. With the tips above, I highly believe that this year’s search will be easier, – don’t forget to share!

What is a cover letter?

This is a document that is sent along with a resume. It is a very important document that is among the basic determinants of whether one is to be shortlisted or if one’s resume is to be overlooked. This explains why considerable time should be devoted to ensure that an efficient document is developed right from the start. A cover letter should follow the basic format of business letters and address why you are writing, what you have to offer and how one will follow up.

What should be included in the cover letter?

The following sections should be included in a cover letter:

  • An appropriate salutation is an integral part of a good cover letter. It is usually placed at the beginning of the cover letter or message. It is important to include names of contact persons in case you have them. For example: Dear Mr. Kisembo.
  • The most important part of a cover letter is the body. This is a section which includes the paragraphs where you explain why you are interested in and qualified for the job for which you are applying. You should write about why you think you are the most suitable and qualified candidate for the job you are applying for.
  • Contact information for a potential employer to contact you. You can include basic contact information like a telephone number and an email address.
  • It’s also important to close you letter formally. For example: Sincerely yours.
  • Add your signature.

How long should a cover letter be?

Three to four paragraphs of one to three sentences each should form your cover letter. You should be able to introduce yourself in the first paragraph, stating how you found the employer and what position you hope to fill.

In the second paragraph use a few facts or figures that will make the reader want to call you for a job interview. This might be a time to correlate prior job responsibilities and accomplishments to requirements in the new position, or to reveal extraordinary skills or accomplishments such as language proficiency.

In the third paragraph, mention why you are the best suitable candidate.

ONLINE APPLICATION FOR THE CERTIFICATE OF GOOD CONDUCT AND POLICE CLEARANCE CERTIFICATE

INTRODUCTION The Uganda Police Force is mandated under section 2 and 3 of the identification of the offenders Act Cap 119 (1960) and Police Act Cap. 303 (2006) as amended to take and keep criminal records of all persons who have committed crime.

Increasingly, to protect and guard their interest from criminal elements, Countries and Organizations all over the world have over times put additional measures to identify and apprehend criminals. Such measures include the taking of fingerprints which are used for national identification, issuance of passports, visas, employment, joining academic institutions etc.

Cognizant of the threat of the spread of COVID -19 and to minimize congestion at the Directorate of INTERPOL Headquarters’ which is mandated to issue certificates of good conduct, UPF is launching online services effective 17th May 2021.

This is being done with aim of: • Reducing on the overcrowding at the Directorate of INTERPOL and International Relations • Reducing on the time spent in the process of acquiring the certificates of good conduct. • Helping the applicants to track and know the status of their applications. below is a document with all instructions on how to apply online

There is nothing better for an HR professional than feeling that you don’t just want any job; you want to work with them for specific reasons, such as X and Y.

“Address the letter to the hiring manager by name if possible,” says Mike Chappell, CEO of FormsPal , who has more than a decade of experience reviewing application letters. “This shows that you’ve done your research and are genuinely interested in the company.”

2. Use a professional format and design

Your application letter should follow a formal letter of application format. Use a standard font like Times New Roman or Arial, and keep the font size between 10 and 12 points. Include your contact information, the date, and the employer’s contact information at the top of the letter.

There are many layouts online that you can use. Find one that represents your style and complements your resume.

3. Make it engaging from the start with a strong opening

How to Apply for a Certificate of Good Conduct Online From Interpol Uganda

Directorate of Interpol and International relations Uganda has launched an online portal to help citizens apply for a certificate of good conduct and police clearance.

Keep in mind, the application fees remain unchanged for the two certificates, i.e. UGX76,000 for the certificate of good conduct and UGX23,000 for the police clearance.

Let’s look at how you can apply and pay for a certificate of good conduct and police clearance online, shall we?

Step One: Visit the Uganda Police Force website on www.upf.go.ug and click on the Services tab and select Certificate of Good Conduct option OR type service.upf.go.ug/certificates in the browser.

Step Two: Register a new account or log in to your account. Make sure to consent to the different terms of usage and conditions. For new accounts, you will be required to confirm your email address.

Step Three: After logging in, the online portal will provide you with three (3) options of New Applicant , returning applicant , and an option to complete the application.

Step Four: For New applicants, click the button and fill in the preceding forms with your details. Choose payment options to finish your activity for a new applicant. The payment mode includes cash, mobile money, POS, Credit/Debit Cards, and Cheque options to ease your experience. Remember when you choose the cash option, you will be required to print out a bank slip and pay the fees in a bank.

Step Five: Make sure you make payments for the service and log in to your account again. Choose the option of a complete application . Take note that failure to pay your Application fees within two working days means cancellation of the transaction.

Step Six: Book an Appointment for Fingerprint capture at the Interpol office. You will receive an email confirming the date that you have selected together with the requirements to go with.

Step Seven: Print your payment receipts and application preview pages and wait for your appointment date.

On the day of the appointment, you will be required to come with the following documents;

  • Two (2) passport size photos
  • Two (2) copies of your National ID or Passport
  • Copy of application preview printed from the system
  • Copy of Receipt printed from the system

Take note, the Certificates of Good Conduct or Police Clearance issued will be valid for six (6) months.

Cognizant of the threat of the spread of COVID -19, Interpol’s effort to introducing an online portal for tracking and applications of the Certificates of Good Conduct or Police Clearance is dully welcomed.

What is a visa?

A visa enables a person to travel to the nation today, seek medical care, etc. Usually, a visitor is issued a visa by the embassy for an entire month, although this may vary from country to country. There are also three different types of visas. A tourist visa permits the holder to travel for up to 90 days within 180 days. A business visa allows the holder to work or conduct business.
