How Can I Update My PowerPoint for Free?

No matter which version of PowerPoint you have, Microsoft has probably released a few updates since you installed it. If you have Microsoft 365, PowerPoint should install updates automatically by default as long as you're online, but you can also manually check for updates:

Open a new slide and select the File tab.

On Mac, go to Help > Check for Updates . You can also go to the App Store and look under Updates to see if PowerPoint updates are available.

Select Account .

In older versions of PowerPoint, select Help .

Select Update Options > Update Now or Check for Updates (depending on your version).

After PowerPoint installs updates, you'll have the option to enable automatic updates (if it's not already enabled).

Mac users can download the Microsoft AutoUpdate tool to keep all their Office apps up to date. You can also refresh Microsoft apps by running Windows Update .

How Do I Download the Latest Version of PowerPoint?

If you want to upgrade to a newer version of PowerPoint, you must purchase PowerPoint from Microsoft or subscribe to Microsoft 365. You can also buy Office 2021 from Microsoft if you want Word, Excel, Outlook, and PowerPoint all in one package.

A Microsoft 365 subscription gives you access to all Office apps (Word, Excel, Outlook, etc.) for an annual fee. You can use the latest version of PowerPoint and try new features as they get released. The downside is you have to renew your subscription every year.

To automatically update  Excel charts added to PowerPoint , go to  File  >  Info  >  Related Documents  >  Edit Links to Files  > and highlight the file you want to update automatically. At the bottom of the  Links  dialog box, check the box beside  Automatic Update .

Microsoft PowerPoint 2016 allows you to create effective presentations for a variety of audiences as it is no longer solely used by professionals to present during formal business meetings. PowerPoint is now used in business and educational settings to share information in live gatherings and in online settings. The program’s features are easy to find and to use so beginners can also work productively. While it is a good desktop app for presentations, you can only download MS PowerPoint 2016 in computers running Microsoft Windows 7 or later, Microsoft Windows Server 2008 R2, and Microsoft Windows Server 2012. 

Creating presentations  

You can begin creating your own presentation by selecting either the blank presentation or a PowerPoint that is based on a template. Templates are designs that control the thematic elements and slide layouts as opposed to content templates. This means the fonts, backgrounds, and graphics effects will be in place. It's important to know that not all templates are themes. A Design template is a blank presentation with a theme, graphical changes, and specialized slide layouts. This means you can change the theme of any template to suit your preference. 

At launch, the app displays the Start screen where you will see a list of your previous presentations and PowerPoint’s catalog of design templates. You can be overwhelmed by choice, but each kind of presentation has its uses. A Blank presentation is suitable for those that want to build and format a presentation from scratch. This can be a time-consuming process as you will be in charge of adding the slides, its content, and other necessary configuration changes, but it will result in a unique and functional presentation. 

Content templates are slides not currently available in the program. They’re prepopulated presentation templates found on the Office website. They differ from design templates as it suggests the content appropriate for its design such as reports or product launches. Once you’ve downloaded from the website, PowerPoint will open it and allow you to customize the content provided. All the presentations mentioned can be modified into two aspect ratios: Widescreen (16:9) and Standard (4:3). Widescreen is suitable for most PC monitors, while the Standard size is optimized for tablets. 

Managing MS PowerPoint 

You can modify the program’s settings from the Accounts page and the PowerPoint Options dialog box. The Accounts page displays information about the installation of PowerPoint and other resources the software is connected to. This includes your Microsoft account and the members that manage it (if any), storage locations and services (ex. Facebook and LinkedIn), and the app version number. 

Another aspect you can customize is the appearance of the PowerPoint app window. The app can have its own background and theme, most of which are subtle designs that appear in the title bar of the window. You can select one of 14 designs or opt to have a background at all.

This article describes update 4493164 for Microsoft PowerPoint 2016 that was released on February 2, 2021.

Be aware that the update in the Microsoft Download Center applies to the Microsoft Installer (.msi)-based edition of Office 2016. It doesn't apply to the Office 2016 Click-to-Run editions, such as Microsoft Office 365 Home (see  What version of Office am I using? ).

Improvements and fixes

This update fixes a PowerPoint crash that may occur when you open a document that contains a diagram.

Note:  To fix this issue completely, you have to install KB 4493189 together with this update.

When you click a download item in the Download Center, you will be directed to the download details page for that download. Most of these pages follow a standard format and include most of the sections described here.

The  Quick details  section contains helpful summary information, including the name and size of the download file and its date of publication.

In some cases, you'll see a  Change language  box, from which you can select a language other than English. Note that some downloads are not available in all languages. In addition, not all non-English downloads are accompanied by localized details pages. As a result, you may find English descriptions and instructions on pages for non-English downloads.

For each file listed, you will see a  Download  button or link in the  Quick details  section. Click this button or link to begin the download.

The  Overview  section includes a brief explanation of the issues addressed by the download and the benefits it provides.

Always check the  System requirements  section to make sure your computer is compatible with and has the space required to install and run the download. This section may also list required or recommended application software.

Review the  Instructions  section before clicking the  Download  button, so you are prepared for any steps you may need to follow.

This lists other items downloaded by people who also downloaded the current item. Information about these related downloads can be very helpful.

• On the download details page, click the  Download  button.
• A dialogue box will open. Click the  Save  button.
• You will be prompted to select a location for the download on your computer. Select an appropriate location, and click the  Save  button.
• When the file has finished downloading, you will see a second dialog box. If you want to install the file immediately, click the  Open  button. This launches an installation wizard.
• If you do not want to immediately install the file, click the  Close  button. When you are ready to install the file, double-click the file to launch the installation wizard.

Note:  When you save a download file, make sure to save it to a location that you will remember when you are ready to install the download. We suggest creating a special folder on your desktop to which you always save downloads. Follow these steps to create such a downloads folder:

• Right-click an unused area of your desktop.
• Point to  New , and then click  Folder .
• Give the folder a name, such as My Downloads.
