View and present live Power BI data in PowerPoint

As soon as you add a live Power BI report page or visual to PowerPoint, you can start interacting with your data just as you would in Power BI. The initial view is determined by the URL you used. The following image shows a report page loaded into the add-in, with the add-in features labeled. The same add-in features are available when you load an individual visual.

Understanding what you see

In the add-in, you see:

  • The report page or visual . The report page or visual is fully interactive, in both edit and slideshow modes, unless it has been frozen as a static image . The left-hand report page navigation pane that you see in the Power BI service isn't included. If there are page navigation visuals in the report itself, you can use them to navigate to other pages in the report.
  • A toolbar across the bottom of the report page . The toolbar contains info and menus with controls that help you work with the data and set up your presentations. See the Controls section for more detail.
  • A Show/Hide arrow at the upper right side that opens the add-in side pane (desktop application only). The add-in side pane contains more controls for working with the add-in, such as deleting the add-in or forcing a refresh of the report while the add-in is open. See Add-in side pane for more detail.

Tip : To get a cleaner view and more space, you can collapse the toolbar by toggling the Expand/Collapse the toolbar in the bottom right corner of the add-in.

Interact with data

You interact with the data just as you would in the Power BI service. You can apply filters and slicers, select data points, and drill down on data.

The live report page or visual is interactive in both edit and slide-show modes. Changes you make to the report or visual's state (via filtering, selection, slicing, etc.) in edit mode while setting up your slides are saved. By contrast, changes you make to the report or visual's state in slide show mode aren't saved. When you exit the show, the report or visual returns to the state it was in when you left edit mode.

As you work with the report or visual in edit mode, you can always restore the initial view if you want to go back to it. Use the Reset option in the Data options menu.

Prepare a slide show

To get more space and a cleaner display for your slide show, you can collapse the toolbar across the bottom of the report page or visual using the Expand/collapse toolbar control.

If you need to present a slide show multiple times, you most likely want to set it up just once, and have it automatically return to its beginning state when it's finished, so you're ready to go for the next time. The add-in makes this easy. Since data selections you make in edit mode are saved, while selections you make in slide show mode aren't, you can set up the presentation just once in advance in edit mode, and then present it as a slide show multiple times without having to set it up again each time, no matter how much slicing, dicing, and filtering you do in the course of the show - when the slide show is over, the report page or visual goes back to the state it was in at the beginning of the slide show.

Automatically refresh data during slide shows

PowerPoint allows you to continuously play back a presentation in slide show mode. This feature is especially useful when you want to present information in public displays without any human interaction. If a presentation that is running continuously has slides that include the Power BI add-in, the data in the add-in might become outdated, since normally the add-in only gets the data from Power BI when the slide is loaded or when the user manually refreshes the data being presented.

To prevent the data in the add-in from becoming stale while being played back as part of a slideshow, you can set the add-in to automatically pull fresh data from Power BI while the presentation is in slide show mode. This ensures that the presentation will always show the most recent data.

To enable automatic refresh, go to the add-in footer, select Add-in options , choose Slide show settings , check Automatic refresh in slide show , and set the desired frequency.

This feature requires that your Office version meet the add-in's minimum Office version requirement . Auto refresh only happens in slide show mode, and not while you're editing the presentation.

Add styles to your presentation

You can improve the appearance of your presentation by applying styles to the add-in. Currently, you can put a border around the add-in to give it a clear definition on the slide.

To put a border around the add-in, open Style options and select Outline . To change the line color, width, style, or transparency, expand the Outline option.

Enrich your presentation with data insights

Data insights help you explore and find insights such as anomalies and trends as you consume and interact with your data. With the add-in, you can easily generate insights, which you can then paste directly into your slide or copy to the clipboard for pasting elsewhere, such as in the slide's notes.

Not all visuals can generate insights. See Smart narrative considerations and limitations for details.

Once you've copied an insight to the slide or clipboard, the text is static and won't change when the data changes. To update the insight, you need to re-generate it.

The following animation shows how you can generate data insights, edit them in the Data insights dialog, and then paste them directly into the slide or copy them into the notes.

To generate data insights:

Select Data options > Data insights .

The insight appears in the Data insights dialog. The text is editable and you can change it as desired. When you're satisfied with the text, you can either paste it directly onto the slide as a PowerPoint textbox, or you can copy it onto the clipboard, from where you paste it wherever you like - into the slide notes, for example.

Freeze a snapshot of the current view

Every time you open your presentation, the report page or visual reloads into the add-in, bringing fresh data from the Power BI service. There might be times when you don't want this to happen, and instead would like the data to remain static. For this you can use the View menu in the toolbar. Choosing one of the snapshot options turns the current live view into a static, non-interactive image. Then, when you next open the presentation, you'll see the static view you saved.

The menu allows you to set the view to live data or to a snapshot. Two snapshot options provide you some control over who will be able to see the Power BI content in the snapshot:

Snapshot : When you choose Snapshot, only users who have permission to view the report in Power BI will be able see the static image of the Power BI content. Users who don't have permission will be able to request access. This option helps keep you from inadvertently showing Power BI content to unauthorized users.

Public snapshot : If you choose Public snapshot, anyone who can view the presentation to be able to see the static image of the Power BI content, regardless of their permissions in Power BI.

To restore the interactive view, select Live data . The live report page or visual will reload in the state it was last in, but with the latest data from Power BI.

The view menu with the snapshot options requires Office version 2312 (Build 17126) or later. If you're Office version meets this requirement, don't use the Save as image option located the add-in side pane.

You can only switch between Live Data and Snapshot in the PowerPoint desktop application - you can't do this in PowerPoint for the web. However, PowerPoint for the web does respect the the choice you made in the desktop application. So whatnever view you selected in the desktop app will be the view that you'll see in PowerPoint for the web.

Share your presentation

When you share the presentation with others, to be able to view the data in the presentation they'll need an active Power BI account and a Microsoft Fabric free license, as well as access to the data. If the Power BI report or visual isn't located in a Premium capacity or Fabric F64 or greater capacity, they'll need a Power BI Pro license. None of this applies if you've frozen the view as a static image.

To make sure people in your organization can access the report or visual and take advantage of the live data experience, when you add a live report page or visual to a presentation, be sure to use the link generated in Power BI by the Share > PowerPoint option . This ensures that the people in your org who you shared the presentation with will be able to see the live data when they open the presentation.

Users who don't have permission to view the report or visual can request access directly from the presentation, and will be able to view the data once they've received access.

Controls that help you work with your data in PowerPoint are described below.

  • Hyperlinked title : Report name and page or visual name. Select the title to open Power BI to that report page or visual.
  • Report sensitivity label : Shows the sensitivity label applied to the report in Power BI. Note: this isn't the sensitivity label (if any) applied to the PowerPoint file itself.
  • Last update from source : Shows the time and date of the last data update from the data sources.

  • Filter : Shows or hides the filters pane, where you can filter your data, just like in the Power BI service. This option is available only if filters have been defined on the page or visual.
  • Data Insights : Generates insights displays them in a dialog as editable text. You can then either paste them directly onto the slide or copy them to the clipboard for use elsewhere.
  • Refresh : Refreshes the report page or visual with the latest data from the Power BI service. Note: Refresh doesn't trigger getting data from the data sources.
  • Reset : Restores the state of the report page or visual to the state it was in when it was first added to the PowerPoint presentation.

  • Outline : Puts a border around the add-in. Select the expand arrow to access border line-style formatting options.

  • Clear data : Removes the report page or visual from the add-in and returns you to the add-in Insert screen, where you can start over by pasting in the URL of a different report page or visual.
  • Slide show settings : Controls data refresh during slide shows. With this setting, you can turn on/turn off automatic data refresh during a slide show, and set the refresh frequency. For more information, see Automatically refresh data during slide shows .
  • Learn : Opens help pages.

Expand/collapse toolbar

Expands or collapses the toolbar across the bottom of the report or visual. This feature is useful in Slide Show mode, when you need more space and want a cleaner display.

Add-in side pane

Delete : Removes the add-in from the PowerPoint slide.

Reload : The report page reloads every time PowerPoint is opened, so you need to use this option only if the report has changed while you’ve had PowerPoint open.

If all you want to do is refresh the data, use the Refresh option in the Data options menu instead.

The add-in side pane is available only in the PowerPoint desktop application. It isn't supported in PowerPoint for the web.

To get around the report, you can use the usual Power BI keyboard shortcuts , with the following exceptions:

Interactive data storytelling with Power BI

By embedding live Power BI reports in your slides, you can tell interactive, data-focused stories. No more copying and pasting inevitably out-of-date screenshots or switching between your PowerPoint slides and your Power BI report during a presentation. You can now build narratives around your data and drive meaningful conversations through interactive reports right in PowerPoint.  

This feature is a long-standing customer request. We are happy to bring it to you and support your growing needs for data storytelling in increasingly data-driven workplaces and cultures. 

How it works

  • Open a new or existing presentation in PowerPoint.

NOTE: If you don’t see the Power BI button in the ribbon, you can get the add-in from the Microsoft App Store.

  • Copy the link to the Power BI report you want to insert, paste it into the Pa st e report page URL here box, and then select Insert .

Insert your Power BI data into a slide page

When the report has been loaded into the slide, it is live and interactive both in Edit and Slide Show view. Any change that you make in Edit view–such as updating a slicer or changing a filter–is automatically saved. So feel free to customize the view of the data you want to present in advance.

You can also filter and pivot to different views of the data to showcase key points and insights.

Tip and tricks

  • If you want your data view to remain static (to prevent data refresh or changes to filters/slicers), you can freeze the current live view to turn it into an image. In the top-right corner of the report, open the menu and select Show as Saved Image . This will convert the report view into an image until you select this option again to unfreeze it.
  • To view the interactive data during your presentation, attendees will need to have a Power BI subscription and be logged in with an active account, and have access to the report (unless you’ve frozen the view as an image, as discussed above). To ensure that anyone you share the presentation with will have access to the report, share a link from Power BI by clicking Share > PowerPoint .  

Known issues

  • Reports are not interactive in PowerPoint Live. 
  • When viewing the Power BI report in Slide Show view in PowerPoint for web, you may be prompted to authenticate. 
  • The presentation will not inherit the sensitivity label assigned to the Power BI report when inserted. For example, if a Power BI report labeled as Confidential is inserted into a presentation labeled as Public, the presentation’s label will not change and will remain as Public.

You must have an active Power BI subscription to use this feature.

Availability

The Power BI ribbon button in PowerPoint is rolling out to Insiders who are running Beta Version 2201 (Build 14825.10000) or later.

All users can install the Power BI add-in from the Microsoft App store.

How to integrate Power BI reports with a presentation in Microsoft PowerPoint

If your organization is using Microsoft Power BI mobile, you have access to a lot of data via interactive reporting. That information is vital when making decisions and presenting growth, goals, and other benchmarks to others in your organization. Now Power BI reports are easier than ever to share because you can add them to Microsoft PowerPoint presentations.

In this tutorial, I’ll show you how to share Power BI reports as live reports or embedded images working from PowerPoint or Power BI mobile. Working with existing Power BI reports will save you a lot of preparation time.

This feature is available to Microsoft 365 and Power BI mobile users.

How to get the Power BI add-in for Microsoft PowerPoint

You may already have this feature in PowerPoint. Click the Insert tab and look for the Power BI group in the middle of the ribbon. Click the button to add a frame and start the process.

If you don’t find that button, download Power BI as follows:

  • Click the Insert tab.
  • In the Add-ins group, click Get Add-ins.
  • In the resulting dialog, search for Power BI.
  • Choose Microsoft Power BI, as shown in Figure A , and click OK. Downloading might take a few seconds.

Regardless of whether you used the Power BI button or the add-in, you’re now ready to link to the report. To do so, access the report online using Power BI mobile, paste its URL into the add-in control, as shown in Figure B , and click Insert. Allow a few seconds for this feature to link to the appropriate report.

Figure C shows the resulting report in a PowerPoint slide. During the show, you can filter the reports as if you were using Power BI mobile. In addition, the link is live, so as you update information via the data source, the link updates the reports in PowerPoint. To embed another report, you will need to download a new add-in frame or click the Power BI button via the PowerPoint interface.

You don’t have to start with PowerPoint. You can also share the report from Power BI mobile to PowerPoint.

How to share a Power BI report to Microsoft PowerPoint

If you prefer to start with Microsoft Power BI mobile, open the report and then use Share or Export. Both options offer a PowerPoint choice and end up displaying the dialog shown in Figure D .

After copying the link, open PowerPoint and insert the URL in a Power BI frame as you did above.

The difference with this route is that Export lets you embed the report as an image, which won’t update, or a live link, which will. Share lets you send a link to people via email or open the report in a new PowerPoint file.

Using either Export or Share you can bypass the add-in download task by clicking Open in PowerPoint ( Figure D ). Doing so opens a new .pptx file and imports the report into a slide without downloading the add-in frame first.

Sharing in Microsoft PowerPoint

Those with which you share the PowerPoint presentation will need an active Power BI account and access to the report to view the data in the presentation. Use the Share option to PowerPoint shown in the previous section.

Users without permission must request access to the report from its owner directly from inside the PowerPoint presentation.

Thanks to this new connection capability between Microsoft Power BI and Microsoft PowerPoint, you can share your data’s story in your PowerPoint presentations using existing Power BI reports. That link is live, so regardless of when you share that story, your reports will be up to date. For working efficiently, you can’t beat this combination.

4 effective ways of connecting Power BI to PowerPoint

More and more financial professionals have been adopting Power BI, the Microsoft software that is revolutionizing data analysis for decision-making. With Power BI, teams can access interactive online dashboards, also known as dynamic reports, that allow them to explore their company’s data securely.

Nevertheless, the use of static reports is still necessary when it comes to:

  • Isolating specific information (removing confidential or irrelevant data)
  • Analyzing, comparing or restoring data from a new angle
  • Commenting on data
  • Working on the formatting in new tables and graphs
  • Sharing figures with people unfamiliar with Power BI

PowerPoint remains the best tool in the Microsoft Office suite for presentations and static reports, whether internal (ExCo, accounting, retrospective reviews, monitoring indicators, monthly follow-up, etc.) or external (investment reports, commercial proposals or activity reports).

In this article, we’ll explain four different methods to export Power BI to PowerPoint that will help you tell more dynamic stories with your data.

Discover the four main ways to connect Power BI to PowerPoint – and the limitations of each.

Microsoft’s native export, copy-pasting between Power BI and PowerPoint,  or exporting Power BI via Excel all seem simple, but come with serious limitations.

UpSlide’s Power BI to PowerPoint Link, however, enables you to quickly access and import Power BI reports from within PowerPoint, and refresh the visual whenever data changes.

Option #1 – Native Microsoft export from Power BI to PowerPoint

As a Microsoft product, Power BI is compatible with the Office suite . Thanks to this, an easy way to export data is to use the native Export to PowerPoint function within Power BI online.

How to use Microsoft’s native PowerBI to PowerPoint export:

  • Within PowerBI online, open a report published on one of your workspaces
  • On your report, click  Export, then PowerPoint and choose whether you would like to export an image or embed the live data
  • In the pop-up window, choose Current Values and then click on Export
  • This will generate a PowerPoint file containing the pages of your report ready for you to download

Limitations of the native Power BI export:

The entire process takes place on Power BI online and forces you to cross-reference between the webpage and your PowerPoint presentation. This method generates a new PowerPoint file with the default neutral template, so the result will not comply with your graphic charter.

In addition, the pages of the Power BI report are converted into non-customizable images in a format that is often different to the PowerPoint template.

And finally, the data export process can be time-consuming.

Option #2 – Copy and paste a Power BI visual into PowerPoint

The second option to link from Power BI to PowerPoint is to copy and paste a visual from Power BI and paste it into PowerPoint. This is useful when you want to highlight some elements of a Power BI dashboard without downloading all the pages.

How to copy and paste Power BI visuals to PowerPoint:

  • Open a PowerPoint file on your desktop
  • Within Power BI online , open a report published on one of your workspaces
  • In the popup window, click Copy to clipboard
  • You can now return to your PowerPoint presentation and paste the visual on the slide of your choice

Limitations of copying and pasting Power BI visuals to PowerPoint:

Copy-pasting a static visual makes updating data a challenge. With this method, you can’t refresh the data from within PowerPoint and would have to return to Power BI and start the process over again whenever figures change. The visual remains an image accompanied by a text box detailing the “source” – this should be manually removed from your slide if you don’t need it.

Note : you can keep the hyperlink in the “notes” section to come back to this Power BI visual later.

Option #3 – Export Power BI data to PowerPoint via Excel

This third technique for linking Power BI to PowerPoint involves importing the Power BI data into Excel, where you can rework it before presenting it in PowerPoint.

It is sometimes necessary to export Power BI data to Excel for analysis or to create tables and graphs before inserting it into a PowerPoint presentation.

How to export your Power BI data to Excel and then PowerPoint:

  • Within Power BI online, open a report published on one of your workspaces
  • Select a visual, click on the “…” icon, then select Export data
  • In the pop-up window, keep the default options (Summarized data and .xlsx file)
  • Retrieve the raw data Excel file from your downloads
  • Edit your table or chart in the Excel file, then link it to your PowerPoint presentation

Limitations of exporting Power BI data to Excel and PowerPoint:

Customizing the data in Excel before adding it to your PowerPoint can offer more flexibility than copy and paste. However, this technique is still time-consuming, and you must repeat the process each time your Power BI data evolves.

This last method does not allow you to filter or update your Power BI data from within PowerPoint.

Option #4 – UpSlide’s Power BI to PowerPoint Link

The advantages of upslide’s power bi to powerpoint link:.

UpSlide’s Power BI to PowerPoint Link is the easiest way to tell inspiring stories with your data. Access and import your Power BI reports directly from within PowerPoint without going through Power BI online. The link also allows you to export Power BI visuals to Word.

As your data changes over time, easily update one or more visuals in a few clicks using our Update Links button. Plus, you can edit the categorical slicer values for one or more visuals from a dedicated dropdown menu.

How to link Power BI to PowerPoint with UpSlide:

  • Within the UpSlide ribbon in PowerPoint, click the Import Visual button
  • Select a Power BI report from the pane that appears. Note: if this is your first export, you will have to log in to Power BI first
  • Select your desired visual and click on the “…“ icon, then click Export to PowerPoint . If you want to export the full report, click directly on  Export Page  at the bottom of the window

Congratulations! You’ve successfully connected your Power BI report to your PowerPoint presentation.

Follow these steps to refresh your Power BI visuals directly from within your PowerPoint presentation:

  • Within the UpSlide ribbon in PowerPoint, click the Update Links button
  • In the pane that appears on the right, select the links you want to refresh
  • Click on the Update button
  • Just like that, you have updated the Power BI visuals in your presentation without leaving PowerPoint!

Present Power BI Reports in PowerPoint

Building a super-cool Power BI dashboard with full interactivity (slicers, bookmarks, drill-through, etc.) can be quite satisfying.

But what do you do if you need to present this interactive dashboard in a meeting where PowerPoint is your only means of presentation?

Power BI does have a feature that allows you to export the screen as an image, but the image lacks all the wonderful interactivity.  Plus, if you must give the presentation at a later date, you’ll need to update all the exported images because the data will likely have changed.

Hope is just around the corner.

Power BI released a feature that allows you to export the dashboard to PowerPoint while retaining most if not all the functionalities.

Working with the Power BI service online, we have a dashboard with the following interactive features:

  • Slicers that allow us to filter by years
  • Buttons that switch us between pages
  • Slicers that allow us to select departments and channels

We want to export this dashboard to PowerPoint and retain interactivity.

Power BI now has an option behind the  Export  button called  Embed Live Data .

When selected, we have the option to open the dashboard in PowerPoint with or without the current filter selections.

NOTE:  As of this post’s publish date (July 2022), this feature was still in preview release.  It has since become generally available with the March 2023 release .

Selecting the  Open in PowerPoint  option presents the following message.

Clicking the “ Trust this add-in ” will load the Power BI report into a PowerPoint slide.

We need to take a step back and talk about obtaining the Power BI add-in for PowerPoint.

Before we can just drop a Power BI report into PowerPoint as easily as has been demonstrated, you need to first visit the Microsoft Store and download and install the Power BI add-in for PowerPoint.

  • Launch the Microsoft Office Add-Ins feature by selecting  Insert (tab) -> Add-ins -> Get Add-ins .
  • Search the Office Add-Ins for “ Power BI ”.

Once added to PowerPoint, you will see the add-in on the  Insert  ribbon.

By having the Power BI add-in as part of PowerPoint, we have full interactivity in our PowerPoint slide, both in Presentation Mode and standard Slide Design Mode.

Notice that the only page we have from our report was the page displayed when we performed the  Embed Live Data  action.

If you need other pages from the report, those pages will need to be inserted separately.

One workaround to this is to include a page navigation interface on the needed pages.

Excel Essentials for the Real World

When working with an existing presentation, we can easily add a Power BI report by creating a new, blank slide and selecting  Insert (tab) -> Power BI .

Our slide presents a placeholder that requests the link we saw earlier from the Power Bi service when we perform the initial export routine.

Click the  Copy  button to place the Power BI report link on the Clipboard.

Return to PowerPoint and paste the link in the placeholder and click  Insert .

In addition to the report’s slicers and buttons working during the presentation, we can also leverage Power BI’s filter controls.

This embedded report is arguably superior to embedding Excel dashboards as Excel’s interactivity does not carry over to PowerPoint.

Capturing a Screenshot

If you need to capture a screenshot of the report during the presentation, click the arrow button in the upper-right corner and select  Show as Saved image .

You can then right-click the report and copy it to the Clipboard for pasting it onto another slide or any other application.

To return to the interactive version of the report, click the arrow button in the upper-right corner and deselect  Show as Saved image .

Report Options

In the lower-right corner reside controls for hiding the filter pane, refreshing the data, and resetting the report.

Changing the Report’s Story

Any changes made to the Power Bi report in the PowerPoint slide  do not  flow back to Power BI.

However, changes to the Power BI report at the source  will  flow down to PowerPoint when the slide link is refreshed.

Deleting a Report from a Slide

Clicking a Power BI report on a slide and pressing the  Delete  key will not remove the report from the slide.

To remove the report from the slide, click the arrow button in the upper-right corner and select  Delete .

Hiding the Status Bar

If you don’t wish to display the bottom banner with the report add-in controls, click the down-arrow button in the lower-right of the report.

Viewing Report Status

The lower-left corner of the report displays the name of the Power BI report file as well as the date and time of the last refresh.

Clicking the report’s name will take you to the full report on the Power BI website.

If you share the report with an associate, the person with which you are sharing must have a Power BI account and have been granted access to the report and its underlying dataset.

The report and its data are not stored in the PowerPoint file, only a connection is created between PowerPoint and Power BI.  The interactivity is displayed in real-time as the presentation is being used.

All security permissions are retained and respected.

This post is about how to use Power Point integration with Power BI for story telling of Power BI reports and dashboards through slides, and also give some users features such as commentary. This features is not a new feature, it has been released almost a year ago! but because many people still are not aware of such feature, I intended to write about it in a post. In this post you will learn;

Dashboard and reports used in this example are sourced from Power BI Desktop; The First Experience .

Power BI Tiles

Power BI Tiles is an add-in for Excel, Power Point and few other Microsoft Office products version 2013 SP 1 or later. This component is developed by DevScope . Please note that this is not Microsoft built-in feature. However it can be used easily with Microsoft Power BI and Power Point. This component enables Power BI reports and dashboard elements to be pinned in Power Point slides. Download this component and install it from there, or from your office project.

Installation

Open Power Point, create a blank slide deck, then insert a BLANK slide, and from Insert menu option, click on My Add-ins

From My Add-ins you might see Power BI Tiles if you have installed that before. otherwise go to Store tab, and search for Power BI

After adding this add-in you will be ask to enter Power BI account related to this, and also authorizing Power BI tiles to access reports and dashboards in your Power BI cloud storage. After authorization you will see a box including list of dashboards in your work space will appear.

Adding Power BI Tiles to Slides

This box is Power BI Tile added to your slide. You can select any of dashboards you want. for this example I use the dashboard which is related to Pubs Data Analysis Demo I’ve done before. After choosing a dashboard you will see one of its tiles appear here.

Once you chose the tile, you can leave it there. It is already embedded into your Power BI slide. You can now add another Power BI Tile, again from My Add-ins and this time Power BI Tiles is there. Note that you can build similar dashboard here in Power Point with adding each item as a tile.

Yes, with this method you can add commentary to Power BI reports and dashboards, you can tell the story behind the data with integration of Power BI and Power Point. very simple feature but really useful.

When you click on this link, it will open that Power BI dashboard or report in a browser. This provides you the navigation from a high level story point to the detailed report in Power BI service.

By default Power BI Tiles are interactive tiles that can be refreshed and clicked, highlighted, and interactive. However if you want them as an image only tile, you can choose it from top right hand side of Power BI tile.

Working with other Work Spaces

You can navigate to all other work spaces that you are part of, and see all reports and dashboards under it. by default Power BI Tiles will look into “My Workspace” (named as Personal Workspace), but you can change it from the top side of Power BI Tile.

If you choose dashboard, then you can pick one element of dashboard in each tile. but if you choose a report. For example “Pubs Analysis” report we’ve built in another example , then you will see the whole report in tile, with all report pages, and filter pane.

Power BI and Power Point integration helps to tell story behind the data much easier. You have presentation and story telling features of Power Point, plus interactive visual, refresh-able from cloud features of Power BI.  Good news is that Microsoft team is working on another integration feature named “ Export to Power Point ” which will be released very soon I believe. I’ll put together another post when that feature comes live.

Hi Reza, As you have mentioned under “Reports in Tile” is it possible to created PowerPoint Slides on the fly in Power Bi Tiles add-in. Suppose i have 4 tiles under a report, so is it possible to create 4 Slides under powerpoint and render the tiles slides wise i.e. Slide 1 -> contain Tile 1 Slide 2 -> contains Tile 2 Slide 3 -> contains Tile 3 etc. and it should render there tiles per slide without manual intervention.

I may not be the best person to answer this question. This is more Power Point question. Someone with good experience and knowledge in Office should know that. Maybe with VBA it be possible.

Is PowerBITiles a trusted Addin by Microsoft? I could not find this information in the AppStore.. If yes should be supported with the non online version pf Powerpoint?

How to put Power BI in PowerPoint

This request is a favorite of mine and often occurs towards a large business review.  I often end up making a specialized dashboard to allow the meeting presenters to take the screenshots they feel they need. Luckily there are a few ways to put your Power BI report into PowerPoint. 

  • Sign in to Power BI from the browser
  • Select your desired report
  • Choose File > Export to PowerPoint

There you have it.  The Power BI service will generate a PowerPoint presentation for you (titled by your report name) and once ready, begin to download.

Is there a way to get dynamic Power BI charts in PowerPoint?

  • Open PowerPoint > Insert menu > Choose “Get Add-ins”
  • Search for “Web Viewer”, choose Get
  • In the URL field, use the “Embed”URL from the file menu of your Power BI report
  • Press Sign in from the Web viewer

  • Search for “ Power BI Tiles Online”, choose Get
  • Choose the “From Power BI” button
  • Sign in and navigate to your report

Both methods have their caveats.  The web viewer method; although it’s free, has a very hit and miss issue with signing in.  It seemed to work in the beginning but failed far too often which is the last thing you need as part of a crucial board meeting. Power BI Tiles is a paid app that is often the case to get something that you expect to be integrated within an MS product.  The add-on team does a good job, it’s easy to navigate and is extremely responsive.  For 50 buck I guess it’s not the worst if it helps secure a sales pitch or a contract renewal.

What are my options for Power Bi Report server (PBIRS) to PowerPoint?

For those clients who secure their data to an on-premise solution, the option that seemed poor for the Power BI service actually works well for PBIRS To put your Power BI report from On-Premise to PowerPoint, simply:

  • Search for “Web Viewer”
  • In the URL field, enter the reports full Power BI report server address
  • At the end of the URL add the following “?rs:embed=true” to the end of the URL
  • Enter your credentials

Use Power BI as your PowerPoint presentation

My final thoughts are rather than trying to force PowerBI into PowerPoint, it makes more sense to recreate your presentations in Power BI.  This allows you the flexibility to provide accurate data and if done right you can import your narration points to your data model.

Here are the Four ways to export Power BI visuals to PowerPoint:

Export Full Report From Power BI to PowerPoint

With Power BI service, the published data can be incorporated in the slide decks based on your Power BI report. This can be done by using the function “Export to PowerPoint” from Power BI online. For this, you simply have to open Power BI home and go to your published report in the workspace. Once you are on your report, choose the file menu and select “Export To PowerPoint.” 

A dialogue box will appear asking you to choose between ‘Current Values’ and ‘Default Values.’ You can go for ‘Current Value’ if you want to export the report in the current state including active changes. Pick the “Default Values” option if you don’t want your changes to be reflected. Your Power BI report will be easily exported into PowerPoint which can be found in the downloads option of your in your browser.

Copy-Paste Power BI Visuals in PowerPoint

The second option is to copy the visuals from Power BI to a PowerPoint slide deck. This option is straightforward and convenient. It comes in handy when you want to highlight only a few selected elements of your Power BI dashboard without the need to download all the pages. For this, open your PowerPoint file and go to your Power BI home page where your visualizations are stored.

Upon opening your required report, you can select a visual and choose the ‘copy’ option on the top right corner. An option of “Copy to Clipboard” will appear on your screen. Select the displayed option. Now you just have to paste the selected visuals in your presentation. By choosing only relevant visuals you provide your presentation with flexibility. It should also be kept in mind that the visuals once included cannot be adjusted. 

Export Power BI Data To PowerPoint Via Excel

Power BI data is first imported into Excel to be attained in PowerPoint later. This step is advantageous for a lucid analysis of graphs and tables before exporting it into your PowerPoint presentation. It helps to track the data. For this, open your Power BI dashboard where the report is published. After opening your report, you have to scroll on the right corner and select the three dots placed there. 

The option of “Export Data” has to be selected from a drop-down menu. In the pop-up window go for the option of “Summarized data” and make sure the extension mentioned there is .xlsx. An Excel sheet containing your raw data will be constructed which can be edited and later pasted in your slide in PowerPoint in the form of SmartArt, Charts, Tables etc. 

Use Power BI Tile Add-On in PowerPoint

In this method, you can import the Power BI visuals and data directly from PowerPoint. After forming a presentation with a few slides, you can go to the “Insert” option. After selecting it, choose the option of “Store” or simply “My Add-ins” if you’re using the latest version of the Office Suite. Search for Power BI and add the “Power BI Tiles” add-in.

Once you’ve added the tile, you have access to the Power BI site. You can add your credentials and access your workspace and reports from Power BI. With this option, you can quickly import your desired visual, analytical report or the complete dashboard. Using this option will save you the extra effort of switching from PowerPoint to Power BI repeatedly.  

Data analysts and business professionals can perk up their presentation decks by importing data, reports and visuals from Power BI to PowerPoint presentations easily. When catering a presentation to your investors, the inclusion of powerful visuals which display your data can garner praises for you. Make Power BI Report Templates With PowerPoint

For today’s blog post, we are continuing our series on creating Power BI report templates. Let’s keep in mind that we are not designing anything in Power BI, but we are using PowerPoint to make our reports look better. You can check out the first part of our series here .

The next part of this tutorial is to see how we can create glassmorphism style in our reports. After this, we will go on to create an actual template for our Power BI report.

Create A Glassmorphism Effect For Your Power BI Report Templates

PowerPoint has many good stock images and icons. Just go to Insert tab, go to Pictures, then Stock Images .

Then scroll down and browse through the images to see what we can use. Once you have chosen one, you can click on the first design idea so that it will take up your whole canvas automatically. Now we have our background image.

Now we will go to Insert Shapes and use the rounded rectangle . We will draw one rounded rectangle like this, then play with the borders and increase or decrease the radius of the borders.

To have a glassmorphism effect , go to Fill , then Gradient fill . Keep only two gradient stops. Bring the dark stop to the right hand side, and the light stop to the left side.

Set the Direction to diagonal from top left to bottom. Then change the Color to white and set the Transparency to 80%.

We can see some glass-like effect on our shape already.

We’ll do the same thing to the second gradient stop. You can play with the colors and transparency until you are happy with the result.

The next step is to set a very subtle line of color. Bring in icons from PowerPoint.

Once we have chosen an icon, we can decrease the size a bit and change the color. We can write some text below the icon and then align it properly so we have the same distance from top, bottom, and middle.

We can build our cards with this glassmorphism effect in our Power BI report. This effect works on any background image, even if the said image has a lot of colors, like our example.

Use Almost Any Background Image For Power BI Report Templates

You can use almost any background image to create a report for your organization. I’ll show you what I used for a real-life company.

We’ll create a new blank slide then use this image. Note that if the image you will use aligns with your corporate theme, then you can actually use it.

We’ll click on it so it actually takes the whole space of the canvas. We’ll duplicate this image using Control + D, then align the image with the previous one.

We want to have a rounded shape for this one, so click on Crop , then Crop to Shape , then choose rounded rectangle .

Click on Crop again and resize it so there are equal distances from all sides.

To have a glass-like effect on a picture, go to Picture Format, click on Artistic Effects , and choose Blur . Now that we have blurred this item, we can resize it again and play with the border radius. These aliens are now 20% hidden, but we want to hide them even more.

We can increase the radius to whatever looks good for you. This one is fine, but the problem is we cannot see the glass effect clearly.

We can go to Insert Shapes and create one rectangle, give it a black color and no line, set the transparency, then send it to back. This will make the glassmorphism object to pop up even more.

Create A Navigation Pane Inside PowerPoint

Now that our report background is ready for use, the next thing to do is to design a navigation pane inside PowerPoint.

So for the purpose of this report, we will create a navigation in center. This is great technique if your report does not have real estate in the left and right.

We’ll go to Insert Shapes again, then choose Rounded Shapes .

The problem is it doesn’t fit properly with the above line, right?

So we have go to Insert Shapes and choose a Rectangle . Then go to Shape Format , Manage Shapes , then Subtract .

Now it sits perfectly on top of our frame.

We can insert a text box, which will serve as our homepage. We can also change the size and the color if you want.

Now that we have the Home button, we can also have other options for navigations. If you are using this type of navigation at the center of the report page, don’t go for more than three.

We will copy this text box, then change the name from Home to Insights .

Then we will change the text color to some dark color just so we’ll know which activity screen we’re on.

Naming The Title Of The Report

Now we can copy the Home button and paste it on the left side just below our home navigation icon, and then name this as our Sales Analysis Summary . We can increase the size, align it to the left, make it bold, and then tone down the color a bit.

Next is to bring in our menu icon in here too. We want to bring in as much objects as we want inside PowerPoint rather than in Power BI. So click on Icons , type Menu in the search box, and choose the Hamburger menu icon.

Place the menu icon on the right side, then resize and change the color. We’ll make sure it has the same color and same alignment as our title.

The next step is to create a separate page for Insights . Let’s duplicate the previous slide and then change the text Insights to white.

The next step is to create some grids or containers where we can place our visuals. Go to Insert Shapes , select a rounded rectangle, choose white, then set the transparency.

We are not exporting the containers with this page; we are exporting it as a separate object. So let’s insert a new blank slide, then paste the grid there.

We will export the Home page and save it as a PNG file, then do the same thing for the Insights page.

At this point, we are now done with PowerPoint so we can move on to Power BI. Let’s open the Power BI report we have been working on.

Now let’s bring in the shape that we designed for these visuals.

We really don’t want this ellipses, so we’ll go to General settings to turn it off. Then go to Properties , then Style , then choose Fit . We’ll place our bar chart on the left hand side and align this visual perfectly with our heading.

As you can see in this dashboard, we don’t have many visualizations on this page. Look at how easily we have arranged our visuals in a container-like format.

Don’t put a lot of visuals in your dashboards, reports, or SQL database.

Earlier, I told you that you can create good-looking Power BI reports with any background image. And I really mean it. Let’s copy this report page. Instead of the alien background, this time around we’re going to use the Enterprise DNA background.

Because of the glass-like effect of these containers, we don’t have to change any colors on these visuals. You can see how easily you can reuse this template over and over again, even with different colors.

But if you want to change the theme of your visualizations, the best way is to go to the Analyst Hub and find the Power BI Themes Generator . This is what I always use for my reports.

If you want colors for your background, you can use the Colour Theme Generator , then click on Image to Colours , then upload your image.

There are a lot of apps in the Analyst Hub that can speed up your report development. There’s a repository of DAX measures where you can reuse the many templates from the people who have participated in our Power BI Challenges. We also have a Planner where you can collaborate with your team and plan your analysis on the Analyst Hub.

Once you have colors, you can go to the Power BI Theme Generator and either start from scratch or import your theme, edit it, and then export it to Power BI. It’s easy to use, interactive, and intuitive.

The same properties and fields that are shown in a Power BI report are also shown here, so you don’t have any confusion at all.

Creating Power BI Layouts using PowerPoint

First question, why bother with layouts? Using layouts in Power BI allows a user to make their visuals stand out better, the page looks professional and more appealing to its audience.

Second question, why PowerPoint? The default page size in Power BI desktop is 16:9, (this trick doesn’t work for other Power BI page sizes), which is identical to a PowerPoint slide. Therefore whatever is designed in PowerPoint will fit onto a Power BI page perfectly. Also PowerPoint is very easy to use; most people are familiar with it.

You’ll need a Power BI dashboard that you want to add a layout to. I’ll be using a dashboard displaying data on the Premier League top 50 goals scorers.

To start the creation of a layout, open PowerPoint with a blank side and add a rectangle.

Next, add glow to the rectangle, glow is found in the drawing ribbon under shape effects.

Repeat the process of adding rectangles with glow and lay them out so the visuals will fit.

If there is an important visual that needs to be a certain size you can find the size of the visual in Power BI in pixels and tailor the rectangle size to your visual. Unfortunately PowerPoint displays sizes in cm so the numbers will need converting. I use the following – https://www.unitconverters.net/typography/pixel-x-to-centimeter.htm

Once happy with the layout, save the slide as a PNG file. Upload this as the background in Power BI by going to format then page background, then selecting your created PNG file.

There you go!! A Power BI dashboard with its own custom layout.

PowerPoint Slideshow (ppsx) Doesn't Display Power BI Report Pages

We need to show our Power BI report pages live in our shop and breakroom. We were using the Power BI Windows app but are working on transitioning since it was depreciated. The only replacement that we've identified is the PowerPoint live connection to report pages. This works, however our need is to have the slideshows begin on the display machines' startup of so that no manual input is required. To accomplish this we saved the PowerPoints as slideshows (ppsx). When these slideshows are launched however, they only show a blank screen. The report pages are there, since links can be clicked, but they do not display. Upon investigation they will display if the simple action of showing all slides, then selecting one or exiting, is used. Once a slide is shown after going to all slides, all pages display properly. This doesn't satisfy our needs for the slideshows to be automatic however.

Things that I have tried so far:

Opening the slideshow in safe mode. This does work, however it does not allow the reports to be live.

Disabling the one application add-in that was active with no effect.

Disabling slideshow hardware graphics acceleration with no effect.

Switched slideshow monitor from automatic to primary with no effect.

Run the slideshow on multiple different machines, each had the same issue.

Any assistance is much appreciated.
