Most of us have experienced dull, irrelevant or confusing presentations. But think back to the last really great presentation you saw – one that was informative, motivating and inspiring. Wouldn't you love to be able to present like that?

This article looks at 10 of the most common mistakes that speakers make when giving presentations. By avoiding these, you'll make your presentations stand out – for all of the right reasons, and none of the wrong ones.

Mistake 1: Not Preparing Enough

Steve Jobs was a famously inspiring speaker. His speeches may have looked effortless, but, in reality, each one took days or weeks of preparation.

Careful preparation is essential. The amount of time you spend on planning depends on your situation, but it's a good idea to start early – you can never be too well-prepared.

Mistake 2: Not Familiarizing Yourself With the Venue and Equipment

Imagine that your presentation starts in an hour. You arrive at the venue and, to your horror, the projector won't work with your laptop. The slides you spent hours preparing are useless. This is a disaster!

You can avoid a situation like this by taking time to familiarize yourself with the venue and available equipment at least once before your presentation.

Often, the sorts of problems that can jeopardize your presentation will be situations beyond your control, but this doesn't mean that you're helpless. Conduct a risk analysis to identify potential issues, and come up with a good "Plan B" for each one.

Mistake 3: Ignoring Your Audience

Sometimes, speakers can get so wrapped up in delivering their presentations that they forget about the needs of their audience.

Start your presentation by telling your audience what to expect. Let them know what you'll cover first, whether and when you'll stop for a break, if you'll be taking questions during the presentation, and so on.

Providing these "signposts" up front will give your audience a clear idea of what to expect, so that they can relax and concentrate on your presentation.

Mistake 4: Using Inappropriate Content

The primary purpose of any presentation is to share information with others, so it's important to consider the level you'll pitch it at.

Do some research on your audience. Why are they here? How much do they already know about your topic, and what do they most want to learn from you? It's no use giving a presentation that's so full of jargon that no one understands you. But you wouldn't want to patronize people, either.

Try to put yourself in people's shoes, to get a clearer idea about their needs and motivations. You can also greet individuals as they arrive on the day, and ask questions to get a feel for their level of knowledge. This will also help you to personalize your presentation and make a connection with each person in your audience, so that they'll be more attentive to what you say.

Mistake 5: Being Too Verbose

Short, concise presentations are often more powerful than verbose ones. Try to limit yourself to a few main points. If you take too long getting to your point, you risk losing your audience's attention.

The average adult has a 15- to 20-minute attention span. So, if you want to keep your audience engaged, stick to the point! During the planning phase, make a note of the themes you want to cover and how you want to get them across. Then, when you start filling out the details, ask yourself: "Does my audience really need to know this?"

Mistake 6: Using Ineffective Visuals

Poor slides can spoil a good presentation, so it's worth spending time getting yours right.

We've all seen slides with garish colors, unnecessary animation, or fonts that are too small to read. The most effective presentation visuals aren't flashy – they're concise and consistent.

When choosing colors, think about where the presentation will take place. A dark background with light or white text works best in dark rooms, while a white background with dark text is easier to see in a brightly lit room.

Choose your pictures carefully, too. High-quality graphics can clarify complex information and lift an otherwise plain screen, but low-quality images can make your presentation appear unprofessional. Unless an image is contributing something, embrace the negative space – less clutter means greater understanding. Use animation sparingly, too – a dancing logo or emoji will only distract your audience.

Mistake 7: Overcrowding Text

The best rule of thumb for text is to keep it simple . Don't try to cram too much information into your slides. Aim for a maximum of three to four words within each bullet point, and no more than three bullets per slide.

This doesn't mean that you should spread your content over dozens of slides. Limit yourself to 10 slides or fewer for a 30-minute presentation. Look at each slide, story or graph carefully. Ask yourself what it adds to the presentation, and remove it if it isn't important.

Mistake 8: Speaking Incoherently

Even though we spend a significant part of the day talking to one another, speaking to an audience is a surprisingly difficult skill, and it's one that we need to practice.

If nerves make you rush through a presentation, your audience could miss your most important points. Use centering or deep breathing techniques to suppress the urge to rush. If you do begin to babble, take a moment to collect yourself. Breathe deeply, and enunciate each word clearly, while you focus on speaking more slowly.

Mistake 9: Showing a Lack of Dynamism

Another common mistake is to freeze in one spot for the duration of your presentation.

Some presenters feel most comfortable behind the podium. Try to emulate great speakers like Steve Jobs , who moved purposefully around the stage during his presentations.

As well as working the stage, he used gestures and body language to communicate his excitement and passion for his subject. Pay attention to what your hands are doing – they're important for communicating emotion. But only use gestures if they feel natural, and avoid being too flamboyant with your arms, unless you want to make your audience laugh!

Mistake 10: Avoiding Eye Contact

Have you ever been to a presentation where the speaker spent all of their time looking at their notes, the screen, the floor, or even at the ceiling? How did this make you feel?

Meeting a person's gaze establishes a personal connection, and even a quick glance can keep people engaged. If your audience is small enough, try to make eye contact with each individual at least once.

If the audience is too large for this, try looking at people's foreheads. The individual may not interpret it as eye contact, but those sitting around them will.

It takes practice and effort to deliver a good presentation. But, if you know how to avoid the pitfalls, your presentations will be great.

Common presentation mistakes include not preparing properly, delivering inappropriate content, and speaking poorly.

Time spent on careful planning always pays dividends. Check out the venue, and familiarize yourself with equipment in advance to avoid possible problems.

Keep your content clear and concise, with visual aids to match. And make sure that you pitch it at the right level for your audience's understanding, so that your presentation doesn't patronize or bewilder.

Remember, public speaking is a performance. Practice speaking clearly with a slower pace than your normal speech to avoid "rapid-fire" delivery. Use eye contact, body language and gestures that complement your message to keep your audience engaged.

As audiences go global and you need to reach more people through technology (including webinars, conference calls and teleconference), you must consider the challenges to connecting with a virtual audience. Here I pinpoint 10 valuable best practices to ensure you communicate successfully.

1. Be Brief

Audiences begin to lose attention after roughly 10 minutes of hearing from the same presenter. If you have more than 10 minutes of content, use interactive activities to keep your audience engaged (for example, take a poll, give quizzes, or ask audience members for their opinions via chat).

2. Be Simple

Keep slides simple — avoid too many words, graphics and animation features. Less is definitely more!

3. Be a TV Personality

Look straight into your camera, not the screen. Wear clothing that is neutral in color (no plaids or stripes). Light yourself well and from above. Be mindful of what appears behind you in the background. Invest in a good microphone.

4. Be Standing

Even though your audience cannot see you, stand when you present. This allows you to stay focused and use good presentation delivery skills such as belly breathing, vocal variety, and pausing.

5. Be Prepared

Practice delivering your presentation with your technology in advance of your talk. Make sure all of the features of the technology work. Record your practice using the recording feature of your tool. Watch and listen to learn what works and what you can improve.

6. Be Assisted

Have someone available to deal with technical issues and to field email/text questions. Also, if you have multiple remote audience members in one location, be sure to pick one of them to be your “eyes and ears.” Ask them to queue up questions and facilitate discussion on your behalf.

7. Be Specific

Ask pointed questions to avoid too many people answering at once. For example, rather than ask, “Are there any questions?” try “Who has a question about the solution I provided?” Set a ground rule that people state their names prior to speaking.

8. Be Synchronized

Transitions are critical. You must connect what you just said to what is coming next when you move from point to point. Transitions between topics and slides are good opportunities to get people reengaged to your talk.

9. Be Connected

Imagine your audience even though you can’t see them. You can place pictures of audience members behind your camera so you can look at people as you present.

10. Be Early

Encourage your audience to access your call or webinar in advance of the start time so you can iron out any technical issues in advance and get them familiar with the technology.

How to Give a Virtual Presentation: Tips, Challenges, and More

For many, virtual presentations are an acquired taste. But, with remote teams becoming increasingly popular—especially now due to the onset of the COVID-19 pandemic—virtual presentations are not only to be expected, but they are also rapidly becoming the norm in our day-to-day professional lives. In addition to helping colleagues stay aligned on major projects, virtual presentations are a useful sales tool that helps you improve your profit margins and are also a staple of customer or client engagements, whether in the form of quarterly business reviews, new feature introductions or providing regular reporting.

How Do Virtual Presentations Differ From Regular Presentations?

It’s tempting to think that the same rules that apply to in-person presentations would apply to virtual presentations as well. In reality, however, the two require different approaches to keep viewers engaged in the presentation. Here are two major differences between virtual and regular presentations:

Virtual presentations are competing with more distractions

Participants viewing a virtual presentation are far more easily distracted than a typical meeting participant would be when viewing the content in the same room as the presenter. With in-office presentations, participants are typically in the conference room, which is a controlled environment with fewer distractions  competing for attention, making it easier to tune into body language and what the speaker is saying. With virtual presentations, the context is very different.

Often, viewers are on mute (video or audio), making it much more difficult for presenters to understand who is engaging with the content. At any moment attendees may be answering a phone call, checking email, browsing social media or simply multitasking due to lack of interest, to all of which the presenter would be none the wiser.

Virtual presentations offer greater scalability

Virtual presentations allow you to present to more people at the same time, aided by group video conferencing services such as Lifesize, which allow for hundreds of participants per meeting . To participate, all that meeting attendees need is a device with an internet connection, greatly simplifying logistics when compared to a traditional in-office presentation, which often requires making travel plans, blocking a few days to travel and booking a conference room. Even then, you can’t be sure that everyone will show up on the agreed date and time until the meeting begins.

While virtual presentations are convenient, that doesn’t necessarily make them easier for you or your audience members. We’ve all experienced the pains of failed virtual presentations plagued by poor audio or video quality or presenters who don’t feel fully comfortable navigating controls to share content. Additionally, when you’re not physically presenting to an audience face to face, you have to work that much harder to establish a connection and sustain their attention. Here’s how to do it.

4 Virtual Presentation Tips for Your Next Meeting

Great content, preparation and practice speaking in public are key factors for every presentation, but if you can’t keep your audience engaged by getting rid of all distractions, your presentation is likely to flop. Here are four presentation tips that will help you minimize distractions next time you’re in the meeting spotlight.

1. Keep it short

When presenting virtually, your audience has a near-infinite supply of distractions at their fingertips, from email to instant messaging to social media feeds. So if you’re doing a virtual presentation, keep it concise and straightforward. Even if you’re committed to a longer presentation like a webinar , staying focused and not meandering is critical.

The average attention span when listening to a presenter is between 5 and 10 minutes. Even elite, experienced speakers struggle to hold an audience’s attention for longer than 20 minutes. In order to avoid listener fatigue and hold the attention of the (virtual) room, you want to pack a punch in your presentation, condensing content to no more than five key points along with a succinct summary of the action you want the audience to take after the presentation.

One way to do this is by starting with the end in mind. For example, if you’re giving a presentation on how to be productive working from home , your goal may be to have the audience put the advice into practice and provide feedback on their experience. Having identified this, you will know the amount of information you need to provide that will lead them to take that specific action you want them to take.

2. Close out windows you don’t need

Before you share your screen, make sure you have the content you want to present already prepared. The first few moments of your presentation are critical to establishing a connection with the audience, and no one enjoys watching a speaker scramble nervously to find their presentation on a cluttered desktop or, worse, inadvertently sharing sensitive or personal information that may be displayed from another application.

Additionally, if you’re using the same presentation for different audiences, make sure you evaluate every slide to ensure it’s relevant and tailored to the room. Distracting your viewer by having to go through a bunch of generic slides that haven’t been tailored to their organization, job function or priorities makes you seem unprepared, giving the audience the perfect excuse to tune out what you have to say. Whenever you do this, you break the flow of your presentation and their willingness to stick around till you’re done.

3. Ask the audience to commit to a distraction-free meeting

Many remote companies have an unspoken rule: mute your mic if you’re not presenting. It’s easy for an ambulance passing by to throw a presentation off track, so before you start, ask participants to mute their mics until you’re ready for Q&A. Luckily, many video conferencing platforms allow meeting hosts to mute participants’ mics to better control the meeting experience. As an additional benefit, muting helps presenters hold the attention of meeting participants by establishing when it will be their turn to speak.

For fully remote and distributed teams, it’s also common to ask meeting participants to avoid multitasking and mute phones for the duration of the meeting. This creates a meeting environment that more closely resembles an in-office meeting with minimal distractions competing with the speaker for attention.

4. Test your equipment beforehand

If you’re reading this, you’ve likely participated in an online meeting where someone presented for several minutes without knowing that their microphone was muted or that their content wasn’t showing on the screen. It’s an uncomfortable experience for both the presenter and the audience and, luckily, very easy to avoid.

Before your next virtual presentation, make sure to test your mic, screen sharing and camera 5-10 minutes before you go live. This helps you identify what’s working and what isn’t and rectify it. This is also a great opportunity to check your lighting to ensure your video feed is clear and ready for prime time.

After every presentation, take a few minutes to evaluate yourself, or ask colleagues for feedback, to see how well you did and whether you achieved your objective. In addition, here are a few ways to ensure the presentation translates to business impact.

1. Send out your recorded meeting link

Depending on the material, your audience might need to rewatch the meeting to help them get hold of crucial details in your presentation. With your storyboard and presentation ready, it’s time to go about creating your recording.

You can record your screen first, then later record a voice-over or video narration and edit the two together. But, it’s very possible to be quite dull when presenting online. You, like me, will have yawned your way through dozens of virtual presentations in the last 2 months. Many worked though.

We know that multi-tasking audiences’ attention span is short. When Lloyds Bank studied what causes careless, costly household accidents, the researchers made an interesting discovery; the average adult attention span has plummeted from 12 minutes a decade ago to just 5 minutes in 2020.

So, what happens if you are pitching for work, or getting a key message across to worried and anxious employees and it is 20 minutes long? With an attention span of 5 minutes, the average audience is going to tune out 75% of the time. First – reduce your content. Less is more and get really clear on your key messages.

Remember the Power of 3 – if you want to be memorable. We are surrounded by 3’s in branding and it is embedded in all cultures:

  • Nike: ‘Just do it’
  • McDonalds: ‘I’m loving it’
  • The Holy Trinity
  • Location location location
  • ‘Stay home, Protect the NHS, Save lives’.

2. Body language has less impact – focus on your voice

Voice is more important than body language in virtual presenting.

Focus on developing variety in your voice and choosing the right words that will help you achieve your outcome to persuade, motivate, or win business.

The audience sees a smaller version of you online. Most presentations are delivered sitting down, the shot is usually of your top half and the focus is mainly on the face and your eyes. You do not have the eye contact, and therefore it’s tougher to pick up on visual clues and judge the energy in the room.

The key to vocal impact is variety.

What do I want to project? Do I want to connect with the audience or is it important to be credible? Or both?

You can adapt your voice to fit your desired outcome.

If you want to be a credible (the experienced, knowledgeable expert) then speak like this:

  • With pauses
  • Quite monotone
  • Go down at the end of the phrase.

If you want to connect, then speak like this:

  • Lots of musicality
  • Up at the end of the phrase.

3. You have to engage more

If you don’t sustain involvement, your audience will retreat into that alluring observer role, or you will just lose them permanently.

  • Use hundreds of bulleted slides
  • Speak for longer than required
  • Make it all about your expertise

You need to be present when you present. You cannot just hide behind the technology.

Here are 3 controllables:

  • Get yourself into a resourceful state . Your audience will pick up on your nerves.
  • Look directly into the camera – your virtual eye contact . Avoid looking at your audience or looking down at your notes. These behaviours can make you look shifty, or nervous.
  • Use a spike . You have 8 seconds to grab the audience’s attention at the start of any presentation. A spike is a sentence that gets to the heart of your presentation. For example, a mobile communications director said to an investment group: ‘50% of the world’s population have neither made nor received a phone call’. I often start my keynotes by saying ‘presenters are made, not born’.

Get the basics right first:

  • Buy a decent webcam
  • Make sure you are well light
  • Ensure your camera is at eye level
  • Reduce clutter behind you
  • Silence your pop ups

Engage in the first 2 minutes and have an activity every 5 minutes.

  • Run polls and create immediate word clouds showing audience ideas

5 Problems when making a video

The very nature of making videos means problems are inevitable. Each video will have its own issues that arise of the course of the project. A good production company should be skilled in tackling most things that are thrown at them. However there are common problems that should be red-flags for anyone having a video made. Hopefully this will give you some idea of what to look out for when choosing the company to make your videos.

1. Bad sound

It hurts to see so many videos out there that suffer from this. Recording and outputting good sound is a skill. It’s not surprising to see people who decide to make their video in-house get it wrong. In those instances it can be slightly forgivable. But when you watch a video made by a production company that has poor sound I want to pull my hair out. It happens all too often. Again when choosing your team remember to not only watch their work but listen to it. Bad sound can kill your video.

2. Wrong delivery formats

Knowing what format you require a video in is very important. Otherwise you’ll find yourself trying to jam a square peg into a round hole. Sometimes this can be as precise as needing a certain pixel amount if you’re displaying the video on a screen. Or it can be a restricted file size if you are uploading to a bespoke video player. Even if you are displaying on popular video players like YouTube and Vimeo the formats are different. Seeing YouTube videos displaying incorrectly or enveloped by black borders is a personal bugbear. Make sure you know where the video is going first and your production company can deliver the correct format.

3. Miscommunication of a brief

This can always be a problem when getting someone to create something you want. What you want and see in your head may not be what the creator sees in theirs. That is why it is vital every part of the project is communicated clearly – on both sides. We always repeat a brief back to our clients outlining everything we are going to do. This includes addressing the audience, the formats, and the aims and messages. We also make it clear how we’ll be doing it and try to outline how the video will look. We do this to make sure everyone is on the same page and there are no surprises in the end. When you employ a filmmaker sit down and find out if you are singing from the same hymn sheet, otherwise you’ll have a film you don’t want.

4. Changing a brief half way through the process

This usually happens in the editing stage. Something you didn’t expect has come up in the first cut and you want to explore it. This can be a pleasant and amazing journey where you find new directions to take the project. On the other hand you may find yourself wishing for something that isn’t there. No matter how hard you try and change it, if the right footage wasn’t captured you cant edit it. The purpose of a brief is to explore the creative and technical possibilities of the idea. Editing should bring that together and make it a reality. Trying to change that idea when it’s too late can create a very confusing video.

5. Filming doesn’t go to plan

When you plan to make a video there are a huge number of variables that can go wrong. You may plan to film everything in 1 day to be more cost effective. But this puts so much pressure on making sure everything is perfect for that day. However if you run a business you don’t want things to stop just for a video shoot. This can lead to scheduling clashes. You may have lined up a series of interviews with staff but on the day some are called to away or off sick. You may want to film a certain activity, but come the day find out it’s rained off.

What are adverse childhood experiences?

Adverse childhood experiences, or ACEs, are potentially traumatic events that occur in childhood (0-17 years). Examples include: 1

  • Experiencing violence, abuse, or neglect.
  • Witnessing violence in the home or community.
  • Having a family member attempt or die by suicide.

Also included are aspects of the child’s environment that can undermine their sense of safety, stability, and bonding. Examples can include growing up in a household with: 1

  • Substance use problems.
  • Mental health problems.
  • Instability due to parental separation.
  • Instability due to household members being in jail or prison.

The examples above are not a complete list of adverse experiences. Many other traumatic experiences could impact health and well-being. This can include not having enough food to eat, experiencing homelessness or unstable housing, or experiencing discrimination. 2 3 4 5 6

Quick facts and stats

ACEs are common. About 64% of adults in the United States reported they had experienced at least one type of ACE before age 18. Nearly one in six (17.3%) adults reported they had experienced four or more types of ACEs. 7

Preventing ACEs could potentially reduce many health conditions. Estimates show up to 1.9 million heart disease cases and 21 million depression cases potentially could have been avoided by preventing ACEs. 1

Some people are at greater risk of experiencing one or more ACEs than others. While all children are at risk of ACEs, numerous studies show inequities in such experiences. These inequalities are linked to the historical, social, and economic environments in which some families live. 5 6 ACEs were highest among females, non-Hispanic American Indian or Alaska Native adults, and adults who are unemployed or unable to work. 7

ACEs are costly. ACEs-related health consequences cost an estimated economic burden of $748 billion annually in Bermuda, Canada, and the United States. 8

ACEs can have lasting effects on health and well-being in childhood and life opportunities well into adulthood. 9 Life opportunities include things like education and job potential. These experiences can increase the risks of injury, sexually transmitted infections, and involvement in sex trafficking. They can also increase risks for maternal and child health problems including teen pregnancy, pregnancy complications, and fetal death. Also included are a range of chronic diseases and leading causes of death, such as cancer, diabetes, heart disease, and suicide. 1 10 11 12 13 14 15 16 17

ACEs and associated social determinants of health, such as living in under-resourced or racially segregated neighborhoods, can cause toxic stress. Toxic stress, or extended or prolonged stress, from ACEs can negatively affect children’s brain development, immune systems, and stress-response systems. These changes can affect children’s attention, decision-making, and learning. 18

Children growing up with toxic stress may have difficulty forming healthy and stable relationships. They may also have unstable work histories as adults and struggle with finances, jobs, and depression throughout life. 18 These effects can also be passed on to their own children. 19 20 21 Some children may face further exposure to toxic stress from historical and ongoing traumas. These historical and ongoing traumas refer to experiences of racial discrimination or the impacts of poverty resulting from limited educational and economic opportunities. 1 6

Adverse childhood experiences can be prevented. Certain factors may increase or decrease the risk of experiencing adverse childhood experiences.

Preventing adverse childhood experiences requires understanding and addressing the factors that put people at risk for or protect them from violence.

Creating safe, stable, nurturing relationships and environments for all children can prevent ACEs and help all children reach their full potential. We all have a role to play.
