Let me first begin by saying that I personally believe you should have a cover letter for any job you apply to regardless of the industry. In the current job market, you’re competing against a lot of people but most of these people are ‘mass-applying’. They’re taking a spray and pray approach where they think if they apply to a certain number of jobs (cast a wide net) they’re bound to land something. 

Most of these folks aren’t putting in any effort for a particular job application. They’re not adding cover letters because in most cases they’re optional. 

So when you do take the time to write a cover letter, carefully tailored to the role you’re applying for, you’re already putting yourself above a horde of applicants.  

Did you know: Applications with tailored cover letters are 53% more likely to receive an interview call than applications with no cover letter. Even generic cover letters are 17% likelier to get you a call-back than no cover letter. [ Source ]

Adding a cover letter is especially important if you’re applying for a customer service job and I’ll tell you why –

What should you include in a customer service cover letter

Now I’ll show you a good structure you can follow for your cover letter by breaking it into different sections and exploring what each section should include.

Contact information

Before everything else, begin by adding your contact information so that you make it easy for the hiring team to get in touch with you. You can add whichever details you feel comfortable sharing but as a general rule of thumb, your phone number, email address, and social media handles like LinkedIn or X should be adequate. 

Introduction

A well-written introduction can be the make or break between a cover letter that gets you a call vs a cover letter that gets archived for later (code for “we’re going to forget all about you”). In the introduction, you need to communicate your interest in the role and the organization. Talk about why you’re interested in this position specifically. Maybe you’ve followed the company for a while and are a fan of their culture or maybe the job description caught your eye. 

You should also take the chance to introduce yourself a little bit and talk about your background quickly (you’ll go into more depth later on). 

Now coming to the bulk of your cover letter. This section should be devoted to talking about your skills and experiences that make you a good fit for the role you’re applying for. I personally think a good way to approach this is to map your skills and experiences to the requirements listed on the job description. It’s a great way to show how well you’re suited to the position. 

For instance, let’s say the job description states that they’re looking for someone who has strong communication skills, proficiency in handling customer inquiries, and the ability to resolve issues efficiently. 

Then you can approach this by talking about how in your previous company you were responsible for managing customer queries across various platforms, including phone, email, and live chat. 

Get into the specifics – “My ability to communicate clearly and empathetically resulted in a 15% increase in customer satisfaction score over six months.”

This way you’re positioning yourself as the perfect candidate for the role because you’re checking every box.

And finally, you can wrap up by reiterating your interest in the role and the company and thanking the reader for taking the time to go through your application. 

End the letter with a “Sincerely” or “Best regards” and sign off.

Remember to take your time with each cover letter and focus on improving the quality of your job application. Rather than applying to 50 jobs, apply to 10 but do it properly. You’ll notice a marked change in the frequency with which companies call you back.

Every cover letter should show off your work experience and your qualifications, but having only that makes it the same as a resume.

It’s not only what you include in a cover letter, but  how you include  it as well.

You want to  demonstrate your motivation  to work for the company.

It’s also essential to also show  how you will be a valuable employee  thanks to your skills and experience.

If you don’t have a good  cover letter structure , there’s a good chance the hiring manager will reject your application.

Let’s take a look at a good example and a poor example of  the beginning of a cover letter .

I am writing to submit my application for the customer service position. Along with this letter, I’ve included my resume. I have two years of experience and believe I’d be a great addition to your team .

What if you’re looking for a new job after not working for a long period?

It isn’t always easy to find cover letter and  resume examples  for inspiration that include a gap in employment history.

With a  gap in your employment history , you may think you have no shot of landing the job.

However, that doesn’t necessarily need to be the case.

There are good reasons you or anyone else may not work for a certain amount of time.

There are plenty of positives that can be gained from taking time off, maybe because you studied a master’s degree, or  learned a new skill .

So what are some things you should include in your cover letter if you were out of work for an extended period?

  • Choose honesty:  Don’t think a hiring manager won’t find out about your time off. If you don’t mention the reasons for your time off, they may come to the wrong conclusion. Briefly explain why you weren’t or couldn’t be working.
  • Don’t worry about all of your off time:  If it’s a short amount of time, or it was a long time ago, you probably shouldn’t mention it.

When it comes time to interview, you should also  prepare your answers .

You will most likely be asked a question or  questions related to your time off .

First, fully  understand what the company needs . Do a good job of analyzing what they are asking for in the job vacancy and what the goals of the company are.

Our application process varies depending on the programme you apply to.

For internships, apprenticeships and graduate programmes, you’ll need to complete an application form, an online assessment and attend an assessment centre (known as Super Days in the US).

If you’re applying for an insight programme or work placement, you may not need to attend an assessment centre but will typically need to complete an online assessment and video interview.

After each stage of the process, we’ll send you a development report by email. As well as letting you know whether you've been successful, this report will include more detailed feedback on your performance – highlighting where you did well and areas you could develop further.

Candidate Hub

Once you’ve applied for an internship or graduate programme, you’ll be automatically invited to register for HSBC’s Candidate Hub. There, you’ll find a range of content to help you prepare for each stage of the application process.

Our application form is quick and easy. It should take no more than 10 to 15 minutes to complete.

It starts with a few simple questions about who you are (just to make sure you’re eligible for the programme you’re applying to). You won’t need to submit a cover letter, and there are no lengthy written answers, but we may ask for a copy of your CV.

You’ll also be asked a few questions to help us report on and monitor equal opportunities in line with local requirements. These won’t be used to make hiring decisions and you can choose not to share this information if you prefer.

Our online assessments have either one or two stages, depending on the programme and country or territory you apply to. This could take anything up to 90 minutes to complete.

They’re designed to give you an insight into our values, our culture and the working life of graduates at HSBC. They’ll also help you understand more about the specific business area you’re applying to.

During these assessments you’ll be presented with example work scenarios and asked to respond in different ways, including multiple choice, written and video responses. The responses you give will help us assess your behavioural and cognitive skills to ensure they’re a good match for the programme you’re applying to.

The final stage of our recruitment process is an assessment centre*, which typically lasts three hours. These mostly run virtually, but in some countries and territories, or for certain programmes, they’re run in-person. If you need to attend an assessment centre at one of our offices, we’ll give you plenty of advance notice and may be able to support your travel expenses. Please check with your recruiter in advance.

During the assessment centre, you’ll get to meet HSBC colleagues from the business area you’re applying to. We’ll assess your suitability for the programme with questions and exercises designed to help you demonstrate your skills and interest in our business.

To prepare for the final stage assessment, it’s a good idea to reflect on why you applied to HSBC and think about the type of activities you’re good at and enjoy. We’d also encourage you to come prepared with some questions of your own.

In most cases, applications for our internship and graduate opportunities open around mid-August. Closing dates vary between locations and programmes, so please check each programme’s page on our website for details.

We encourage you to apply as soon as you can because we review applications on a rolling basis and may close a programme early if all vacancies are filled.

Academic requirements vary depending on the programme and location you’re interested in. They’re listed against each vacancy on our website, so please check the relevant programme page for details. Here are some examples for our graduate and internship opportunities:

  • UK : 2.1 honours degree or equivalent degree
  • USA : Cumulative 3.2 GPA or above, or equivalent degree
  • Mainland China : 3.0 out of 4.0 GPA for students studying in mainland China or a 2.1 or equivalent degree for those studying elsewhere
  • Hong Kong : 3.2 out of 4.0 or 4.0 out of 5.0 cumulative GPA from a recognised university. For a recognised university that does not follow the GPA system then a 2.1, or equivalent degree
  • Singapore : 2.1 honours degree, 3.2 out of 4.0 or 4.0 out of 5.0 GPA, or equivalent degree
  • United Arab Emirates (UAE) : Bachelor’s degree with GPA 2.8 out of 4.0, or Higher diploma or equivalent degree

We also encourage you to come and meet us at one of our careers events , where we can discuss the various options with you and you can meet our colleagues from across the bank and learn more about what they do.

If you applied in a previous recruitment cycle and year, then yes, you can certainly apply again. But consider why you may not have been successful last time around so you can work on any skills or development gaps. We offer many events and resources to help you do this and we’d encourage you to take full advantage of these.

We’ll let you know the outcome of your online assessments within a couple of days, but given the volume of applications we receive, creating an interview shortlist can take a couple of weeks or longer. Whatever happens, your recruiter will aim to update you as soon as possible, and you will always receive a final decision from us via email at each stage of the process.

We don’t encourage deferred entry for our graduate programmes but will consider individual requests on a case-by-case basis. One thing to be aware of, however, is that deferred offers are not guaranteed as they’ll always depend on future hiring needs.

Our ability to sponsor visas is dependent on country legal requirements and business need.

In cases where we are open to receiving applications from students who will require visa sponsorship to join our graduate and internship programmes, this will be stated in the eligibility criteria on the vacancy (viewable at the point of application).

If you need a visa for your role and we can offer sponsorship, we’ll be able to provide guidance and support during your application but can’t advise you of your work eligibility status.

Any offer of employment will be subject to you gaining immigration approval before your start date and could be impacted by any legal changes affecting visa sponsorship in the location in which you have applied to work.

Our assessment process is mostly virtual, but final stage interviews may happen in-person. Please check the vacancy you are applying to for more details as any in-person assessment centres will be highlighted.
