Office 365 Business vs. Business Premium vs. Business Essentials: Which should you buy?

Microsoft has three different Office 365 Business plans, and picking the best one depends on your workflow.

Office 365 for Business brings together several Microsoft productivity apps and services into a single subscription. There are three different plans, Office 365 Business, Office 365 Business Premium, and Office 365 Business Essentials. The three plans aren't just tiers where paying more gets you everything a cheaper plan gets plus more. Instead, you pick a plan based on where you want to use Office, how you want to communicate, and of course, how much you want to spend. Office 365 Business Essentials focuses on the web and online communication through Teams, whereas Office 365 Business gets you the desktop Office apps but doesn't get you access to Teams. Office 365 Business Premium gets you access to everything but comes at a higher cost.

Office 365 Business

Office 365 Business is in the middle of the pack when it comes to pricing. At $8.25 per user per month, you get access to all of the Office desktop apps, including Word, Excel, PowerPoint, Outlook, Publisher, and Access. You also get 1TB of OneDrive storage and access to the web versions of the Office apps.

The main draw of this plan is its access to Microsoft's powerful desktop applications. These have been a staple of many workflows for decades, and Microsoft has done an excellent job building up their capabilities. In addition to their powerful features, their file formats will be the standard for some organizations and people.

The downside to this plan is that it doesn't get you access to Microsoft Teams. Teams is a relatively new communication tool that allows you to communicate through chat, calls, video calls, and file sharing. It integrates with the rest of Office well and is available across platforms. But if you don't need to use Teams or your organization already pays for Slack or another service, then it might not be worth the cost to bump up to Business Premium.

Office 365 Business Premium

Office desktop

Office 365 Business Premium is the fully stocked version of Office 365. With it, you get Microsoft's desktop apps, the web versions of Office, Microsoft Teams, business email support, 1 TB of OneDrive storage, SharePoint support, Exchange, and more. It's a complete productivity suite that covers everything from instant communication to file creation to file sharing.

The downside of the plan is its cost. At $12.50 per user per month, it can add up at a large business that has a lot of employees or have a high monthly cost at a small business that has a low overhead.

Whether you go with Business or Business Premium largely comes down to your budget, if you need Teams, if you need business email support, and if you use SharePoint.

Office 365 Business Essentials

Microsoft Teams iOS

Office 365 Business Essentials is an affordable option that still gets you access to quite a bit. While you don't get the desktop Office apps, you do get the web versions of Office, Microsoft Teams, Exchange, 1TB of OneDrive storage, SharePoint, and business email support. All of that comes at $5 per user per month. While Business Essentials isn't identical to Business Premium aside from the desktop apps, the desktop apps do make up the bulk of the difference. Another difference is that Business Premium gets you several management tools tasks within Teams.

If the desktop apps aren't important to you and your business, Office 365 Business Essentials is an excellent choice. Aside from the desktop apps, you don't give up much to get a complete productivity suite on the web.

Office 365 Business Essentials doesn't directly compare to Office 365 Business since one has the desktop apps while the other has Teams.

Which should you buy?

All three plans have their strengths and weaknesses. If you want an affordable plan that gets your employees web-based productivity apps and Microsoft Teams for communication, you should go with Office 365 Business Essentials. You get access to a lot of services for just $5 per user per month.

If you need the fully-powered desktop applications and don't need Teams for communication or business email support, you should get Office 365 Business. It's much more affordable than Office 365 Business Premium and still gets all of your employees the desktop Office applications, OneDrive cloud storage, and the ability to work on the web with the Office web apps.

If you need everything Microsoft's Ofice 365 for Business has to offer, then you should get Office 365 Business Premium. It costs $12.50 per user but gets you Microsoft's entire offering. Just make sure that you need everything it has before subscribing to it. For a lot of businesses, the Premium plan could be overkill.

Sign up for Microsoft 365 for business

Microsoft 365 Business Standard subscriptions are for commercial use and are intended for business and enterprise customers.

Sign up steps

To sign up and purchase Microsoft 365 Business Standard, complete the following steps.

The person who signs up for Microsoft 365 for business (usually the business owner) automatically becomes the technical administrator of the organization. You can add other people as admins if you want help managing your Microsoft 365 services. Check out Assign admin roles for more info.

On the Microsoft 365 for business page , select See plans & pricing .

On the next page, find out the monthly cost, and then scroll down the page to find out more about what's included in Microsoft 365. Under Microsoft 365 Business Standard, select Buy now .

On the Thank you for choosing Microsoft 365 Business Standard page, enter your information to get started. Select Next .

Enter an email address that you already use. This email address can be any address you want Microsoft to use to communicate with you during setup. It's also the address where we send you information about your bill and renewals. Then select, Set up account .

Enter your name, business phone number, business size, company name, and location. Select Next .

We display your company name in the admin center. This is where you manage Microsoft 365 users, licenses and other features and services. We also include it in any internal SharePoint site URLs.

Enter a number that we can use to reach you and select Send Verification Code . You'll receive a text. Enter your code and select Verify .

Decide how you want to sign in to Microsoft 365. You can create a new business email account by adding a domain or sign in with your current personal email .

Choosing the right business subscription

When signing up for Microsoft 365 Business Standard, you have 2 options for how to get started. Evaluate three key factors to choose which best meets your needs:

Which apps and services do you want to use straight away?

How much technical skill do you have?

Do you need Microsoft to act as a processor for your data?

The table below outlines each choice.

  – Sign in with Outlook, Hotmail, Yahoo, Gmail or other email account – Add a business domain and create a new business email account
Available apps and services Use Word, Excel, PowerPoint, OneDrive, Teams, Access. This set of apps is best for very small businesses who don't need branded email immediately. Or, who already use branded email from a different provider and don't intend to switch to use Microsoft Exchange. Use Outlook with your existing email account (be it outlook.com, Hotmail, Yahoo, Gmail or other). Use Word, Excel, PowerPoint, OneDrive, Teams, Access. Microsoft 365 Business Standard with Option 2 also lets you access a wider range of services: New, branded business email accounts with Outlook, shared calendars within your business, Bookings appointment scheduling and Meeting recordings. Shared document storage and SharePoint sites, Microsoft Planner and Microsoft Lists, Microsoft 365 Business Standard and Microsoft 365 Apps for business offer additional services with Option 2. Easier document sharing within your business, support for the compliance needs for your industry, Access and control over your employees' use of services and the widest range of integrations of non-Microsoft apps (for example, Salesforce, Adobe) that work within Teams and Microsoft 365.
Required knowledge Let's you get started without technical know-how. Requires you to buy a domain, or to own a domain. You may need technical knowledge to prove ownership of the domain.
Data handling Available under the Supplement to the . Best for businesses that want some remote work and collaboration tools and are comfortable with Microsoft acting as controller for your data under the . Subscribers to services using this option won't have access to an individual's user content or data until a domain is attached. Subscribers should evaluate data ownership and intellectual property rights considerations based on their needs. For example, if you're working collaboratively with other users on a document stored in their account, they may choose to make those documents inaccessible to you. As such, you should evaluate data ownership and intellectual property rights considerations accordingly. Separately, users may choose not to transfer documents in their Simplified Sign-Up account to your Domain Account subscription, even after you invite them to do so. In this case, their documents may not be accessible to you even if you add a domain account later Available under the and is best for businesses that need Microsoft to act as a processor for their data under Microsoft's and need our full suite of remote work and collaboration tools. Subscribers who are in regulated industries or seek more control, both over the use of the services by your employees and over processing of related data by Microsoft, should choose Option 2 and attach a domain and sign up under the Domain Account enterprise-level agreement.

Use these three factors to determine which of the two options is best for your business needs.

Option 1: Sign in with your Outlook, Hotmail, Yahoo, Gmail or other email account

Sign in to Microsoft 365 with this email address. For example, [email protected].

Create a password on the next page, and select Create account to continue. On the next page, read about how we handle your data and select whether you want Microsoft Partners to contact you. Select Next .

Select how many Microsoft 365 Business Standard licenses you want for your organization and select Add payment method and continue with checkout to Place order .

On the Confirmation details page, we'll give you some more info about your subscription. You can now go to the Microsoft 365 admin center to add users, install Microsoft 365 productivity apps, invite your team to use Microsoft 365 and more. We'll also send you an email with set-up steps for Microsoft 365 Business Standard.

Remember this option doesn't provide branded email, admin control for use of the services by other users, or industry specific compliance support. Subscribers don't have any access or control over other users' (employees) usage or documents under this option users may choose not to transfer data created in storage such as OneDrive/Teams to your upgraded, enterprise-level domain account should you not choose option 2 immediately.

Option 2: Create a new business email account and attach a domain

With this option, you're able to use Microsoft 365 Exchange as your professional, branded email provider. All your users have a shared domain email address. For example, their username, followed by @contoso.com . You and your users sign into Microsoft 365 with this new email address. When you follow this process (add a domain and create new business email accounts), you'll get access to all the features provided in Microsoft 365 Business Standard. This option provides immediate access to the full suite of features in your Microsoft 365 Business subscription but may require technical steps to be completed up front.

Terms of service update for Simplified Sign Up mode

Applies to: Existing subscribers of Microsoft 365 Business Standard who previously purchased using Simplified Sign-up mode .

If you previously used Simplified Sign Up mode to purchase a business subscription before October 2021 without adding a business domain you may need to accept new terms of service for uninterrupted service and usage of the apps in Microsoft 365. You may be sent emails or you'll see in-app prompts when you sign in to Microsoft 365 admin center.

The Simplified Sign Up terms of use have been recently updated, and notably they clarify licensing and data ownership for multi-user business subscriptions. For continued service of your business subscription, you may either visit the Microsoft 365 admin Center and stay using Simplified Sign Up (and agree to use the Microsoft Services Agreement Supplemental), or visit the Microsoft 365 admin Center and add a business domain (and use the Microsoft Online Services Agreement). To help you choose which of these two modes best suits your needs, consult the table at the top of this article.

Should you choose not to accept the updated terms for Simplified Sign Up or to add a business domain, your subscription will not automatically renew, and at the end of your current subscription contract, you'll lose access to the Office apps. Your OneDrive data will be retained for 90 days for you to make copies of it, and then it will be deleted.

Frequently asked questions

What is a business email and what are the advantages to setting one up.

A business email is an email that uses your own domain name. For example, if you own the domain name contoso.com , you can build a website using the url www.contoso.com , but you can also have a custom email address such as [email protected]. This is referred to as a branded business email as it gives your email a professional look.

How do I get a new business email address?

There are three options for getting a business email.

  • You can use a suggested onmicrosoft.com domain for free ([email protected]).
  • You can buy a new domain to have a more compact email address ([email protected]).
  • You use a domain name that you already own.

Why might I need to verify my domain to create a business email?

If you choose to use a domain you already own, you can use it for your email address with Microsoft 365. As part of sign-up process, we ask you to verify the domain so you can send emails via Microsoft 365. This confirms that you are the owner of the domain that is sending emails with that identity, which enhances security and prevents fraudulent activity.

Is there a benefit to paying monthly vs annually?

To provide customers with the greatest amount of flexibility, different payment options are available.

  • Microsoft 365 Business Basic, Apps for business, Business Standard, and Business Premium plans are available for monthly commitment payment or annual commitment payment.
  • Monthly commitment payment: You pay month by month, and you can cancel at any time.
  • Annual commitment payment: You sign up for a one-year subscription, but you can choose to pay month to month or pay for the entire year at the time you sign up. There is a discount for using this payment option.

How does recurring billing work?

When recurring billing is on, your subscription will continue to be billed each year on the day you subscribed. You can turn it off or back on again in the admin center if your subscription is active. Learn more at Manage recurring billing in the Microsoft 365 admin center .

Microsoft 365 Family: what do you get?

There’s no denying that Microsoft 365 Family offers great value. Pay $99.99 per year in the US or £79.99 in the UK and you get Word , Excel , PowerPoint , OneNote , Outlook and OneDrive . Users can run those apps on PCs, Macs, Android and iOS devices and on the web. Access and Publisher are available for PC users, too.

It’s huge versatility, and the impressive set of features doesn’t stop there. Each user gets 1TB of cloud storage so you can sync files across devices. Each user gets 50GB of space with their Outlook email address, and Family users can enjoy Microsoft Teams and Skype for easy communication.

Elsewhere, conventional data protection comes from Microsoft Defender, and OneDrive incorporates ransomware detection and recovery services. There’s even a basic free video editing software and royalty-free templates, stock photos and stock videos.

If you need reliable, synchronized access to productivity tools, then the Home product makes loads of sense – especially if you want productivity software that your family can use. And with support for six users, the Family package is ideal for small businesses with relatively basic productivity needs.

There’s a great option if you’re self-employed, too: the Microsoft 365 Personal product only supports one user, but it only costs $69.99 or £59.99 per year.

Microsoft 365 Business: a better option?

There’s no doubt that Microsoft 365 Family is well-suited to anyone who needs relatively straightforward productivity and email tools, but if you run a business or handle corporate IT systems then you’ll find its limits very quickly.

If that’s the case, then you should consider Microsoft 365 Business instead. These products are more expensive, but they’re far more powerful.

Let’s start with Microsoft 365 Business Basic, which costs $6 or £4.50 per user per month. You get web versions of Word, Excel, PowerPoint, OneNote and Outlook. You get Exchange, too, so you can use your domain name rather than Outlook. Each user gets 1TB of OneDrive cloud storage space alongside 50GB of email capacity.

The Basic product has more collaboration options, in-depth calendaring capabilities and a solid range of admin settings, and its tools also work on Android and iOS – just like in Microsoft 365 Family.

If you’d like to switch your business to downloadable apps rather than online versions, you can pay $8.25 or £7.90 for Microsoft 365 Apps for Business.

Upgrade to Microsoft 365 Business Standard and you get everything in Business Basic alongside downloadable apps and the ability to host webinars . You’ll also get more detailed options about how Microsoft controls and processes your data, which is perfect if you want to retain your existing domain.

Microsoft’s top option, 365 Business Premium, costs $22 or £16.60 per user per month. That’s pricey, but you get class-leading security and management features that you simply won’t find on any other Microsoft 365 product. It’s the best product here if you have a wider network that you need to manage and sensitive data that you have to protect.

The various Microsoft 365 Business products offer more than the Family and Personal tools. Even at the Basic level you get Exchange, and as you upgrade through the tiers then Microsoft adds enterprise-grade management and security abilities.

And, no matter which Microsoft 365 Business tool you purchase, you’ll be able to add 300 users to your system and allow each user to use Microsoft’s products across five different devices.

We can’t deny the increase in cost, though. When all the Business products charge per user and per month, those products will quickly become pricier than Microsoft 365 Family or Personal.

Which should you use?

The relatively high costs means that there are plenty of situations where Microsoft 365 Family will be your best option – even if you’re buying software for business use.

If you’re a small company that only has relatively basic productivity needs, for instance, then you can easily buy Microsoft 365 Family, grant access to five other employees, and enjoy web, mobile and PC-based access to crucial apps.

It’s also ideal for freelancers, people who need a product for their family, and many people who work from home.

Pretty soon, though, you’re going to hit the limits of Microsoft 365 Family, especially if you’re part of a growing business or if you operate in a larger team. If that’s the case, then you or your business should stump up for a Microsoft 365 Business product.

Exchange compatibility means you can use corporate email addresses, those tools support a broader number of users, and as you progress through the tiers you get better security and management options. In terms of protection, deployment and administration, there’s really no competition.

Ultimately, freelancers, sole traders and people who need basic productivity tools can certainly save money with Microsoft 365 Family, and that’s a great option if you want one package to cover home and work use. But if you have a larger business then you’ll almost certainly need the more robust security and management tools available from Microsoft’s proper corporate software.

What Microsoft 365 business product or license do I have?

There are several Microsoft 365 for business plans that you or your organization can choose from when you sign up for one of Microsoft's cloud services. After your organization signs up for Microsoft 365, the admin can assign different Microsoft 365 licenses to each user account. The different licenses include different services, such as SharePoint in Microsoft 365 and Skype for Business Online. See the different Office 365 for business plans .

Note:  This topic is for Microsoft 365 for business. If you have an Office for home product and you're looking for where to install Microsoft 365, see Install or reinstall Office on a PC or Mac . To see what Office for home products you have a license for, sign in with your Microsoft account to Services & subscriptions .

If you experience a problem in Microsoft 365 – for example, you can’t use or install Microsoft 365 on a device – it could be that you don’t have the necessary license that enables that service or you don't have a subscription that includes the desktop applications which require installation. To fix this, you can contact your admin or IT staff for help, or if you're the admin, you can add the license yourself.

What Office 365 business product or license do I have?

If you work in an organization that uses Office 365 for business, use the steps below to find out what Microsoft 365 for business product or license you have. If you're an admin and you want to know what Microsoft 365 subscriptions have been purchased for your organization, follow the steps in What Office 365 for business subscription do I have? instead.

Select your Office 365 plan immediately below, then follow the steps:

  • Select your Offic 365 plan
  • Office 365 operated by 21 Vianet (China)
  • Office 365 Germany

Sign in with your work or school account at www.office.com/signin .

Click Settings , and then under My app settings , choose Office 365 .

On the My account page, choose Subscriptions .

You’ll see the services that you're licensed to use, such as the latest desktop version of Microsoft 365, SharePoint in Microsoft 365 or OneDrive for work or school, and Exchange Online.

You’ll also see the version of the service you're using, such as Plan 1 or Plan 2 .

Tip:  The latest desktop version of Office means you get an Microsoft 365 subscription with Word, Excel, PowerPoint, and others. SharePoint Online means you get OneDrive for work or school and team sites. And Exchange Online means you get email.

What happens if I don’t have an Office 365 business product or license?

A lot of things can happen if you don’t have the necessary Microsoft 365 for business product or license. Here are some examples:

You try to install Microsoft 365 on your PC from Microsoft 365 but discover that there is no installation button.

You try to use Word for the web, Excel for the web, or other Microsoft 365 for the web products and end up on the Microsoft 365 Settings page showing that you don’t have the needed license.

You try to sign in to OneDrive for work or school but can't access the site or get an error message.

You try to install Office for iPad from the Apple App store and get an error that your subscription is not entitled to use the app.

You try to use Office for iPad and find that Microsoft 365 apps like Word, Excel, and PowerPoint are in read-only or view mode.

What can I do if I don’t have the needed product or license?

If you don’t have the product or license you need, contact your Microsoft 365 admin or IT staff for help in getting that license or finding an alternative.

Silver and gold benefits will remain in effect for one year after your last purchase or renewal, but they will not undergo the January 2025 update. There are no requirements to purchase, and your partner admin can perform the transaction in Partner Center. Below are recommendations to help you decide which of the three packages to choose. For qualified partners, we also encourage you to attain a Solutions Partner designation to strengthen your benefits portfolio and stand out in the marketplace.

  • If you have a Microsoft Action Pack or Learning Action Pack, we recommend the Partner Success Core Benefits and Partner Success Expanded Benefits packages, depending on the size and needs of your organization. These benefits are designed to enhance your cloud and AI capabilities and help drive long-term profitability.
  • If you have legacy silver or gold benefits, we recommend Partner Success Expanded Benefits , a comprehensive package designed for organizations ready to expand even further and deepen their partnership with Microsoft. You can also strengthen your portfolio and stand out in the marketplace with a Solutions Partner designation .

Ai demand drives $5 billion in new business and massive expansion of the internet.

Lumen Creates Custom Networks Division to Meet New Demand

DENVER , Aug. 5, 2024 /PRNewswire/ -- Lumen Technologies  (NYSE: LUMN) today announced it has secured $5 billion in new business driven by major demand for connectivity fueled by AI. Large companies across industry sectors are seeking to secure fiber capacity quickly, as this resource becomes increasingly valuable and potentially limited, due to booming AI needs. In addition, Lumen is in active discussions with customers to secure another $7 billion in sales opportunities to meet the increased customer demand.

To address this tremendous demand, which includes the recent Microsoft announcement , Lumen will more than double its intercity network miles over the next five years, while also providing access to a significant amount of installed dark fiber. In addition, Lumen has secured an agreement with Corning  to be its preferred partner for its next-generation fiber-dense cable, which will help accommodate the increased data processing that AI requires.

Microsoft closed its first full fiscal year of aggressive artificial intelligence investment with a mixed bag of results for people worried about how much big tech companies are spending on A.I.

Sales from April through June hit $64.7 billion, up 15 percent from the same period last year, the company reported on Tuesday. Profit rose 10 percent, to $22 billion.

The results beat Wall Street’s expectations and Microsoft’s own predictions. But the company’s cloud computing business did not grow as quickly as investors had expected, leading its share price to drop more than 6 percent in after-hours trading.

Azure, Microsoft’s flagship cloud computing product that includes A.I. services, grew 30 percent in the quarter after taking into account currency fluctuations. Investors had been hoping it would grow between 30 and 31 percent, as Microsoft had told them to expect.

On a call with investors, Satya Nadella, the company’s chief executive, and Amy Hood, the finance chief, said that Microsoft could have sold more if they’d had enough data center capacity — and that those constraints would last through the end of 2024. They added that the A.I. investments are attracting new customers to Microsoft’s cloud business.

“These are generational things once they get going with you,” Mr. Nadella said.

The earnings report showed how the company is spending mightily to build the data centers and acquire the pricey chips that power A.I. technology. Microsoft’s capital expenses have grown every quarter since late 2022, when Mr. Nadella pushed his top executives to make big investments in A.I. Microsoft spent almost $19 billion on capital expenses last quarter, more than twice as much as two years earlier.
