Use the below information to help you format the different pieces of your paper.  Please check with your academic department to see if they have an official dissertation/SPP format template for your program.

A note on Table of Contents: Most APA papers do not require a Table of Contents (TOC). If you are writing a Dissertation or Scholarly Practice Project, you may be asked to include one. Please note: the Publication Manual of the American Psychological Association does not have an official stance on formatting a Table of Contents page .

Your signature page is one of the most important pieces of your final product. It proves that you completed the dissertation!  Below is an example of what your signature page should look like (names blanked out for privacy).

If you have any questions about the signature page or how to get it signed, please contact your program director.

ABSTRACT : An abstract is required for your Dissertation or Scholarly Practice Project and must be included before submitting your final copy to Proquest.  An abstract is a brief, comprehensive overview of your paper. Generally, it should not exceed 250 words.

KEYWORDS : You should also include keywords. Keywords are descriptive terms that encompass the themes of your paper. Think about what terms you used when searching for your topic in the databases. This is what researchers will use to find your paper!

SPRING 2024 CHANGES TO THE DISSERTATION CLEARANCE PROCESS

In order to streamline the dissertation clearance process, the following changes have been made, effective 3-1-2024 .

1. The Dissertation Cataloging Form is no longer necessary.

2. The Dissertation Clearance Form is now initiated directly by the student, and only through Adobe Sign - Signed PDFs and scanned forms have been replaced by Adobe Sign.

3. Students completing dissertation clearance are no longer required to schedule a meeting with their DCR (Dissertation Clearance Representative). If they have questions about what to do, they are welcome to schedule a DCR appointment, but it is not required.

AVOIDING BIAS

Be sensitive to labels

• Avoid identifying groups by a disorder Avoid: schizophrenics Allowed: people diagnosed with schizophrenia

What is the APA 7th Edition Publication Manual?

The 7th edition of Publication Manual of the American Psychological Association was created by the American Psychological Assocation (APA), and contains the complete guidelines on how to format material for publication and cite your research .  It is a set of style rules that codifies the components of scientific writing in order to deliver concise and bias free information to the reader. 

This guide provides some of the basics to keep in mind, but it doesn't replace owning or borrowing the actual Publication Manual itself. It should be on your desk by your side throughout your writing process.

APA style, 7th edition requires specific heading formatting.

For Levels 1-3, the paragraph text begins on a new line. For Levels 4-5, the paragraph text begins on the same line and continues as a paragraph.

In Section 4.2 of the Publication Manual of the American Psychological Association (7th ed.), APA (2020) states that you should use verb tenses consistently throughout your work. See a chart of when and how to use past tense (Rodriguez found) and present perfect tense (Researchers have shown) at the APA Style website .

In-Text Citation Basics

Author/Date Citation Method

APA publications use the author/date in text citation system to briefly identify sources to readers.  Each in-text citation is listed alphabetically in the reference list.  All in-text citations referenced in the body of work musr appear in the reference list and vice versa.

• The author-date method includes the author's surname and the the publication year.  Do not include suffixes such as Jr., Esq., etc. Example : (Jones, 2009)
• The author/date method is also used with direct quotes.  Another component is added in this format: (Jones, 2009, p.19)
• When multiple pages are referenced, use pp. (Jones, 2009, pp.19-21)

Variations of author/date within a sentence Here are some examples of how the author/date citation method are formatted within different parts of a sentence. Please note the author, publication date, and study are entirely fictional.

• Beginning of a sentence: Jones (2009) completed a study on the effects of dark chocolate on heart disease.
• Middle of a sentence: In 2009, Jones's study on the effects of dark chocolate and heart disease revealed...
• End of a sentence: The study revealed that participants who ate dark chocolate bars every day did not develop heart disease (Jones, 2009).

Citing works with more than one author

• One author: Jones (2009) // (Jones, 2009)
• Two authors: Ahmed and Jones (2010) // (Ahmed & Jones, 2010)
• Three or more authors: Tsai et al. (2011) // (Tsai et al., 2011)
• Group/organization author that can be abbreviated: 1st mention: National Institutes of Health (NIH, 2012) // subsequent mentions: NIH (2012)

Theses and dissertations are already intensive, long-term projects that require a lot of effort and time from their authors. Formatting for submission to the university is often the last thing that graduate students do, and may delay earning the relevant degree if done incorrectly.

Below are some strategies graduate students can use to deal with institutional formatting requirements to earn their degrees on time.

Disciplinary conventions are still paramount.

Scholars in your own discipline are the most common readers of your dissertation; your committee, too, will expect your work to match with their expectations as members of your field. The style guide your field uses most commonly is always the one you should follow, and if your field uses conventions such as including all figures and illustrations at the end of the document, you should do so. After these considerations are met, move on to university formatting. Almost always, university formatting only deals with things like margins, font, numbering of chapters and sections, and illustrations; disciplinary style conventions in content such as APA's directive to use only last names of authors in-text are not interfered with by university formatting at all.

Use your university's formatting guidelines and templates to your advantage.

If your institution has a template for formatting your thesis or dissertation that you can use, do so. Don't look at another student's document and try to replicate it yourself. These templates typically have the necessary section breaks and styles already in the document, and you can copy in your work from your existing draft using the style pane in MS Word to ensure you're using the correct formatting (similarly with software such as Overleaf when writing in LaTeX, templates do a lot of the work for you). It's also often easier for workers in the offices that deal with theses and dissertations to help you with your work if you're using their template — they are familiar with these templates and can often navigate them more proficiently.

These templates also include placeholders for all front matter you will need to include in your thesis or dissertation, and may include guidelines for how to write these. Front matter includes your table of contents, acknowledgements, abstract, abbreviation list, figure list, committee page, and (sometimes) academic history or CV; everything before your introduction is front matter. Since front matter pages such as the author's academic history and dissertation committee are usually for the graduate school and not for your department, your advisor might not remember to have you include them. Knowing about them well before your deposit date means you won't be scrambling to fill in placeholders at the last minute or getting your work returned for revision from the graduate school.

Consider institutional formatting early and often.

Many graduate students leave this aspect of submitting their projects until it's almost too late to work on it, causing delays in obtaining their degree. Simply being aware that this is a task you'll have to complete and making sure you know where templates are, who you can ask for help in your graduate office or your department, and what your institution's guidelines are can help alleviate this issue. Once you know what you'll be expected to do to convert to university formatting, you can set regular check-in times for yourself to do this work in pieces rather than all at once (for instance, when you've completed a chapter and had it approved by your chair). 

Consider fair use for images and other third-party content.

Most theses and dissertations are published through ProQuest or another publisher (Harvard, for instance, uses their own open publishing service). For this reason, it may be the case that your institution requires all images or other content obtained from other sources to fall under fair use rules or, if an image is not considered under fair use, you'll have to obtain permission to print it in your dissertation. Your institution should have more guidance on their specific expectations for fair use content; knowing what these guidelines are well in advance of your deposit date means you won't have to make last-minute changes or removals to deposit your work.

• List the author alphabetically by the authors last name and first name initial(s)
• Enclose the date of publication in parentheses followed by a period. For example: (2020).

Thesis or Dissertation Title 

• Italicize the title 
• The first word of the title and subtitle is capitalized as are proper nouns but all other words are lowercase. 
• If a title ends with a question mark or exclamation point, use those punctuation marks instead of a period at the end. 

Identify Type of Dissertation or Thesis 

• For an unpublished dissertation or thesis (available only in print from a college or university) label as [Unpublished doctoral dissertation] or [Unpublished master's thesis]. 
• For a published dissertation or thesis label as [Doctoral dissertation, Name of University] or [Master's thesis, Name of University].   

Name of Institution 

• The name of the instruction will appear with the type of dissertation or thesis (if published) or as the place where the dissertation or thesis is housed (if unpublished). 

Database Publication

What is APA 7th Edition ?    

The American Psychological Association (APA) introduced the latest edition of the APA Style Manual (i.e., APA 7 th edition ) in 2019. APA Style has its origins in 1929 , when a group of academics and professionals decided to develop a set of guidelines that would standardize scientific writing. The earliest form was a seven-page guide published in the Psychological Bulletin . The first formal edition of the APA Publication Manual was published in 1952, with subsequent editions appearing in 1974, 1983, 1994, 2001, 2009, and most recently, in 2019.  

Over the years, the APA style guide has evolved considerably to meet the changing needs of a wide range of disciplines, from social and behavioral sciences to health care, natural sciences, and humanities. APA Style is widely used by academic journals and books.  

As APA 7 th edition is the current and most updated version, students and researchers should familiarize themselves with the style guidelines, including the reference and citation styles.  

Who Should Use APA 7th Edition ?    

The aim of style guides such as the APA Style Guide is to simplify the work of editors and make it easier for readers to understand a text by ensuring a uniform format for a given publication. For example, the APA Style Guide will contain guidelines that lay down the APA reference format and APA style citation for authors to follow.  

The APA Style Guide can be a valuable reference when writing and formatting academic papers, irrespective of discipline. However, this style is primarily used by professionals, researchers, and students in the social sciences (e.g., sociology, psychology, anthropology), behavioral sciences, education, business, and nursing.  

If you are a student, you may consult with an instructor to check what style your discipline uses before using APA Style in your work. Most importantly, be sure to check the guidelines of your university or the journal you plan to publish in to ensure APA 7 th edition is the correct style to use.   

APA In-text Citations    

Researchers rely on citations and references to give credit to original sources, support their arguments, and guide readers to additional information for further study. Let us now look at how to cite sources in APA format. The formatting requirements of APA 7th edition citation for referring to secondary sources in your text are as follows.  

The APA citation format includes the author’s last name and the year of publication. When referring to a particular part of a source, the page number may be included, e.g., “(Rawat et al., 2018, p. 115).”  

APA style citation in the text may be parenthetical or narrative.  

In parenthetical citation, the author’s name and the year of publication are placed in parentheses within the text. This style is used at the end of a sentence. See below for an example:  

• Gender, age, education, and income determine a person’s risk and adaptive capacities (Birkmann et al., 2022).  

In narrative citation, the author’s name appears as a part of the sentence, followed by the publication year in parentheses. See below for an example:

  APA Reference Format    

After APA citations , let us now look at the APA reference format. As an academic, you might use a wide array of source types. According to the APA style guide , each type is formatted in a certain manner. The most commonly used sources are journal articles, books, and dissertations. However, you occasionally might need to cite webpages, podcasts, and news article. How would all these appear in an APA 7 reference page ? You will find your answers in Table 3!

Formatting the APA Paper    

Papers formatted according to APA 7th edition typically contain the following elements:  

Title page with the title (bold, centered), running head and page number in the header, author names and affiliations, and author notes (ORCID ID, conflicts of interest, etc.); see below:  

Next comes the abstract . It should be double spaced and use consistent font. The keywords appear below the abstract, with an indent.  

For the main text, margins are 1 inch on all four side s. T he text is double spaced . T he font used should be consistent . H eadings are used to separate sections , and d etails on heading levels are as follows:

Finally, the APA 7 reference page contains the references to all sources used in the paper. References are double-spaced and use hanging indents :  

Style guides in academic writing serve to standardize formatting, citations, and language use across scholarly works. They provide readers with cues they can use to follow the text more efficiently and to locate information of interest to them. In other words, it avoids distraction of unfamiliar or non-uniform formatting.

According to APA 7 th edition , a reference would appear as below:  

Author, A. A. (Year of Publication). Title of the article. Title of the Journal, volume number (issue number), pages. https://doi.org/xx.xxx/yyyy .  

The in-text citation would include the author name(s) and year of publication, e.g., (Andriolatou, 2007).   

• How should multiple authors be cited in APA 7th Edition?  

APA 7 citation style would vary depending on the number of authors and whether you are citing the source parenthetically or narratively:  

Single author, parenthetical: (Bik, 2020)  

Single author, narrative: Bik (2020) reported that…  

Two authors, parenthetical: (Bik & Urs, 2019)  

Two authors, narrative: As demonstrated by Bik and Urs (2019), …  

Three or more authors, parenthetical: (Bik et al., 2023)  

Three or more authors, narrative: Bik et al. (2023) have published…  

• How do I format in-text citations for a direct quote?  

When someone else’s words are copied verbatim in your paper, it refers to a direct quote.   

For APA 7 citation of short direct quotes (<40 words), use quotation marks around the quote and cite the author, year, and page number:  

Another way to look at it is how people “get a broader range of experience than they would on a feature” (Catmull, 2014, p. 209).  

For APA 7 citation of longer quotes, or block quotes, the sentence preceding the quote ends in a colon and is followed by the quoted text. No quotation marks are used. The quote is indented and cited without a period at the end (see the figure below).

In APA format, the source indicates where readers can retrieve the cited work. Sources fall into two categories, just as titles do. Works that are part of a greater whole and works that stand alone. The requirements for each one are as follows:

• the source for works that are part of a greater whole (journal article, edited book chapter, etc.) is the greater whole (i.e., the journal), and the DOI or URL
• the source for works that stand alone (book, report, dissertation, film, social media site, webpage, etc.) includes the publisher of the work, database, social media page, or website, and the DOI or URL

The general guidelines for formatting the source in an APA style reference are listed below:

• print books require the book publisher
• online books require the book publisher and the DOI or URL
• print journals require the journal name, volume number, issue number, and page range
• online journals require the journal name, volume number, issue number, page range, and the DOI or URL
• italicize the journal title and the volume number
• place the issue number in parentheses after the volume number with no space in between them

How to Create an APA Table of Contents | Format & Examples

A table of contents is not required in an APA Style paper , but if you include one, follow these guidelines:

• Include all level 1 and level 2 headings (other levels are optional).
• Indicate different heading levels with indents. Adhere to general APA format in terms of font, spacing, etc.

In a thesis or dissertation , the table of contents comes between your abstract and your introduction . It should be written in the same font and size as the rest of your text (usually 12 pt Times New Roman). At the top of the page, write Contents , centered and in bold.

In APA Style, you can use up to five levels of heading , each with its own formatting style. In the table of contents, you should include all level 1 and 2 headings, left-aligned and formatted as plain text. Level 2 headings are indented.

Including lower-level headings in the table of contents is optional. Add an additional indent for each level. If you have a lot of headings in your text, you may not be able to include them all—your table of contents should not be more than two pages long in total.

Applying heading styles

First, go through your text making sure that each level of heading is in keeping with APA Style rules.

Next, update the heading styles listed in the Home tab at the top:

• Highlight a level 1 heading
• Right-click the Heading 1 style and select Update Heading 1 to match selection
• Do the same for each level of heading

Once you’ve done this you can update any other headings quickly using the heading styles. Make sure all headings are in the appropriate style before proceeding.

Generating the table of contents

Now you can generate your table of contents. First write the title “Contents” (in the style of a level 1 heading). Then place your cursor two lines below this and go to the References tab.

Click on Table of Contents and select Custom Table of Contents… In the popup window, select how many levels of heading you wish to include (at least two) under Show levels , then click OK :

Updating your table of contents

Now you have a table of contents based on your current headings and page numbers. If you continue working on your text after this, be sure to go back and update your table of contents at the end, as headings and page numbers might change.

You can do this by right-clicking on the table of contents and selecting Update Field . Then you can choose whether to update all information or just the page numbers. It’s best to update everything, just to be sure.
