It’s a common tradition within graduate programs: students bring food and drinks to meetings with their thesis committees, especially to their final defenses. And for many years, the psychology department at the University of California, Los Angeles, was no exception.

No more. The department’s faculty Executive Committee recently voted to end the unofficial practice, citing the added stress -- financial and otherwise -- it puts on students.

"We would like to move away from the expectation that oral exams be catered," reads a notice sent to UCLA's psychology professors and graduate students. "The Executive Committee has approved the addition of a simple rule to our Grad Handbook, stating that students are not allowed to provide food or drink for prelims/final oral exam."

Anna Lau, professor of psychology and vice chair of graduate studies, who wrote the notice, said Tuesday that there was "never an explicit statement that students must bring food." Rather, it was "a tradition that was transmitted and maintained through social norms."

In any case, she said, "my sense from students is that many are grateful that this is no longer an obligation."

Kate Wassum, an associate professor in the department, said that faculty members are “in positions of authority and need to be open to students’ concerns, and what we can do to correct them.” There’s always more to do, she said, but “this was one small, easy thing.”

Not every faculty member in the department expected students to bring refreshments to their meetings. Wassum didn't, for example. She first told students that they weren't expected to, and when that didn't work, she arranged to have food and drinks there herself. But there remained a general expectation in psychology that students would bring something like coffee and snacks, depending on the time of day, when they met with their faculty committees for their preliminary and final oral examinations. And while some students may not have minded, others found it distracting to think about buying, making and, perhaps especially, paying for food. Preliminary meetings typically include four or five committee faculty members, but final defenses can include audience members, as well.

Discussions about ending student-catered meetings accelerated following the publication of an opinion piece in Science last month called “Committee Members Shouldn’t Expect Ph.D. Students to Serve Coffee and Pastries.” Kate Bredbenner, a graduate fellow at Rockefeller University, wrote that she “never thought I would spend so much of my time and money setting up still-life-worthy displays of flaky croissants and shiny fruit for people who are judging my science, and that of my colleagues.”

Yet at her university and many others, she said, “students bring food to our thesis committee meetings and defenses, adding to the already sky-high pressure.” Bredbenner’s “first taste of it came five years ago, for my first committee meeting. I prepared furiously. I meticulously proofread my written proposal and aligned all the figures. My slides all used the same font. I had even prepared some extra slides to address possible questions my judges might ask.”

Even so, she said, “I was sure the meeting was doomed -- because I didn’t know how to make coffee.”

The solution to the problem, Bredbenner said, “is easy: Committees shouldn’t expect students to provide lavish spreads, or anything at all. We shouldn’t have to spend our money buying overpriced fruit salad or know how to make coffee to be considered successful graduate students. Our research should be enough.”

The piece sparked immediate conversations, not just at UCLA. A graduate student in Toronto who runs several social media accounts under the name Ph.D. Diaries, in part to critique the culture of graduate school, said on Twitter that she’d forgotten to bring coffee to her most recent committee meeting and was called out for it.

Some faculty members responded positively, at least online. One professor said she’d never thought about the “inequity” of the matter, and that she’d bring it up at her home institution. “You can’t underestimate how dense faculty are, even the well-meaning ones,” that professor wrote to Ph.D. Diaries.

Noel Brewer, professor of health behavior at the University of North Carolina at Chapel Hill, responded that his department already “forbids doctoral students from bringing food and beverages to proposals and defenses. We train scientists, not caterers.” Brewer said he also pays for “trainees’ meals when we go out at conferences. And [he takes] them for a celebratory meal after the defense. Students should not pay.”

Brewer said this week that a colleague launched the policy seven years ago, as dissertation defense meetings "were becoming increasingly elaborate with tablecloths, refreshments and heavy hors d’oeuvres. We found it strange to have scientists turn into caterers."

The department also found it "inappropriate to set up expectations that put undue burden on people with limited means," Brewer said. "Many of us were just embarrassed to make such implied demands of students, given that many of us have a policy of always paying for trainees when we invite them to meals or drinks."

Ph.D. Diaries (who would like to remain anonymous) also said this week that she typically brings a carton of coffee to her meetings and intentionally didn’t bring it to the meeting she wrote about, to see what would happen.

“I think the general notion is absolutely ridiculous,” she said of student catering. “We are the only people at that table who do not make a living wage. I should not be expected to fund coffee.”

When her adviser told her she forgot the coffee, she said she responded like this: “But I didn't forget to bring everything else we need for this meeting -- the presentation, laptop, report, etc.”

At UCLA, a few professors questioned the change initially. Wassum said that in some instances, professors didn’t really know how students felt about bringing food. It is, of course, an awkward thing to bring up.

The department will now provide coffee and water at oral defenses, following a planned move.

However divisive the custom might be, it’s not meant to be punitive or stressful. Wassum said that the general mood at a thesis defense is celebratory. It’s a big moment in a student’s life. And to many, food and drink signal that. Defenses also tend to happen at a busy time of year, when people might need pick-me-ups.

“I myself find it totally unnecessary. If I need coffee, I can get coffee,” Wassum said. Still, “these things can be nice to have around, but students don’t need to be the ones to provide them.”

Lau wrote in her notice to students and faculty members that "one lovely aspect of this custom was that students often made agreements to support each other by providing refreshments for each other’s oral exams. We hope that students establish new 'buddy' traditions for supporting one another during these major hurdle steps (e.g., happy hour celebrations, being in the hallway for support during committee deliberations)."

The department also will restart the tradition of having a staff member take a photo of the candidate with their committee after the final orals, Lau said.

Academic martial arts: Defending your Ph.D.

A Ph.D. defense differs from a typical academic talk.

A good academic talk primarily conveys technical insight.

To be clear, a good Ph.D. defense also conveys technical insight, but a Ph.D. defense must also convey another critical point:

Whether the school calls it a "thesis defense," "defense of dissertation," or "defense of research," it is also a "defense of the candidate."

A Ph.D. committee is looking for the answers to three questions:

  • Has the candidate conducted original, first-class scientific research?
  • Could the candidate conduct an independent research program?
  • Can the candidate persuasively communicate results of her work?

A good thesis proposal

A proper defense begins at the thesis proposal .

A good thesis proposal makes a subsequent defense significantly easier.

A poor thesis proposal delays graduation and reduces the odds of success.

A good proposal forms a contract between student and committee:

Check in with the committee

Students should check in with their committee members at least once a semester between proposal and defense.

The committee should receive a copy of any new publications.

If conditions arose during the thesis proposal, students should follow up with committee members to ensure that those conditions are being satisfied.

The goal is to make the committee feel like the candidate is addressing their concerns, and to simultaneously convey a sense of activity and momentum to the candidate's research.

Structure the talk

It's a short read, and it will improve presentation skills overnight.

In addition to teaching the technical aspects of the candidate's dissertation, the presentation for a defense should contain the following ingredients:

  • What is the problem I'm trying to solve?
  • Why is this problem interesting or important?
  • Why is my solution interesting?

A thesis is an active, declarative statement briefly but accurately summarizing the candidate's dent in human knowledge .

The Contract

Exhibiting the contract established at the thesis proposal establishes the boundaries for success and establishes a natural flow to the defense.

  • Which of my peer-reviewed publications support my thesis?
  • What theorems have I proved?
  • What systems have I built?
  • What experiments have I run?
  • What evaluations have I performed?
  • What case studies have I conducted?

Related work

  • Who else has attacked this problem or similar problems?
  • In what ways is my solution better?
  • In what ways is it limited?

While explaining the technical content of a dissertation, the candidate must impart a sense to the committee that she can convey the "intuition" behind complex ideas.

Good illustrations, examples and animations impart this sense.

Future work

  • What will I or would I do next in this line of research?
  • How can I build on the work I've done?

A practice run with the advisor is a must before the talk itself.

A minimum of three more practice runs with lab mates or in the mirror will bring the talk together.

The primary goal of practice runs is to debug the "flow" of the talk.

A secondary goal is to sniff out likely questions from the committee.

Put the answers to critical questions in the talk itself.

Prepare back-up slides for the answers to other questions.

Answer questions

Most questions in a defense should be easy to answer.

Answer them fully, honestly and politely.

In an academic talk, one can often deflect a bruising or harassing question with a plea to "take the question offline" for later discussion.

In a defense, there is no offline: almost all questions must be answered.

The lone exception is if a question is off-topic because it is outside the scope of the contract established by the proposal.

In this case, the defendant may insist that it would be a good basis for future investigation.

If the proposal failed to establish a solid contract, there is no escape.

If a committee member seems to be agitated while asking a question, it is critical to remain composed.

Lashing out at a committee member is a proven way to tack on onerous conditions to graduation.

If a committee member feels more work needs to be done, do not let them suggest what needs to be done.

Ask if specific actions would be sufficient, and escalate until the committee member accepts.

Exploit psychology

A Ph.D. defense is an unusual trial: the goal is to prove that it has in fact been a trial by a jury of one's peers.

As with any human endeavor, understanding psychology grants an edge to the defendant.

Dress like a professor

Dressing like a professor drops subconscious hints to the committee that one is no longer a mere graduate student.

[If you're at a loss for what "dressing like a professor" means, hang out in humanities building for an afternoon to observe the faculty.]

Feed your committee

Psychologists studying willpower have found relationships between the ability to make good decisions and blood glucose.

Israeli judges making parole decisions were found to be more likely to grant parole after eating.

Even an assortment of small snacks could help at the margins--particularly when a defense drags into its second hour and the committee fatigues.

Watch your posture

Good posture conveys confidence.

Poor posture conveys uncertainty.

Best tips for the PhD defense

For the past years, I’ve been working with my coauthor on our book on the PhD defense . From all the testimonies about the defense I collected over the years for my “ Defenses around the world ” series, in combination with reading the literature on the topic for this book, as well as then carrying out my own research on the link between the defense format and students’ perception, I think I have gained a good understanding of the doctoral defense.

There are significant differences between the format and function of the doctoral defense between universities and countries. In the United Kingdom, the viva voce is more like an examination: you are examined on your thesis and research privately by two examiners (an internal and external examiner), and they will give you the outcome of your thesis and defense at the end. You may pass, receive minor corrections, major corrections, or be deferred to graduate with an MPhil (Masters of Philosophy) instead of the PhD. Your thesis is only finalized after the defense. On the other hand, if you defend your thesis in the Netherlands, you will defend to a large committee in front of friends, family, and colleagues. Your thesis will already be printed and approved by all committee members, and from a scholarly perspective, the thesis serves more as a rite of passage.

There’s more involved in the defense than the scholarly aspects. We know that the affective dimension of the defense (i.e. the emotions involved) is important , and there are important cultural aspects as well that drive the defense proceedings. Acknowledging these aspects of the defense is important to come to an understanding that the defense is more than just a standard exam.

Looking at what I have learned about the defense in these past years, I can give you my best tips for preparing the defense and passing with flying colors:

1. Understand the defense format

An important step in preparing yourself for the defense, is making sure you understand what will happen during your defense, and what will happen afterwards. Defense formats vary widely among universities and countries, and you should not assume that you know what the defense is like at your institution if you have not witnessed a defense (if you have that possibility) or have read carefully all the doctoral regulations around your defense. In case of doubt, ask your supervisor for clarifications.

2. Read blog posts and books about the defense

Reading about the experiences of others during the defense can help you prepare for what you will be going through. Similarly, reading about the defense in advice books for doctoral students is a good step in the preparation for the defense. Write down your main findings from what you have read, and confirm these findings with your supervisor.

3. Make wise choices for your committee

The behavior and attitude of your committee drives the atmosphere during the defense. If you have a say in the selection of committee members , then think about your recommendations. You want to have a committee that is fair and suitable for making a well-balanced assessment of your research. Keep in mind that younger faculty members may be less experienced in examining a thesis and may be too detail-oriented, whereas senior faculty members may be too busy to give you the in-depth feedback that can improve your work. These examples are, of course, gross oversimplifications – but think about how each committee member can contribute to the improvement of your thesis and how their questions may drive the direction of your defense.

4. Prepare ahead of time

Don’t wait until the last minute to prepare for your defense. By all means, make sure you know the contents of your thesis in and out. In addition, make sure you know the research of your committee members very well. If you will give a presentation during your defense, make your slides ahead of time so that you can practice a number of times and have a solid story.

5. Practice questions

Besides practicing for your defense with the contents of your research, you should practice answering typical questions that you can expect during your defense. There are several lists of questions that you can find online – look at a few of these lists to get an idea of what can be covered. Know as well that the type of questions depends on your defense format: a private UK-style viva can mean that your examiners want to go through your thesis page by page and ask detailed questions, whereas a public Dutch-style defense will typically involve more general and longer questions for you to address.

6. Have a mock defense

Having a trial defense in advance is a good practice. The most important here, for the mock defense, is that your mock defense is as similar to your real defense as possible, so that you get an experience that prepares you as well as possible for the actual defense. Try to get senior colleagues to serve as committee members for your mock defense, and ask lab members to attend and take note of what you can improve for your defense.

7. Write out your itinerary for the day

Make sure you know exactly where to be and when, with which paperwork, during the day of your defense. I find that writing out my itinerary for the day of my defense helped me, and it also helped me see where and when I would need a friend to help me as I would not be able to both receive my guests and family and at the same time take the boxes with my printed copies of the thesis from my office to the defense room.

8. Prepare your tools the day before

Think about everything you will need for your defense: your thesis, pen, paper, laptop, cables, water, additional calculations, copies of relevant literature sources, a snack, your clothes,… Make sure you know what you need for your defense, and put everything ready the day before. On defense-day, you will then be able to just follow your itinerary.

9. Know that you will pass

Most candidates pass their defense, either as a straight pass or with minor comments. Failing a defense only happens when in exceptional cases: when there are major ethical concerns about the research, or when plagiarism is caught. If you’ve done your research yourself and you prepared for the defense, you can expect to pass.

10. Celebrate in style

You only defend your doctoral thesis once in your life, so take the time and expense (if possible) to celebrate in style. Whether you want to share champagne with your lab mates, or go for a dinner with your friends, colleagues, and family, make sure that you have a plan to celebrate this very special occasion .

The dissertation committee is usually formed once the academic coursework is completed. Furthermore, by the time you begin your dissertation research, you get acquainted to the faculty members who will serve on your dissertation committee. Ultimately, who serves on your dissertation committee depends upon you.

1. Start Your Preparations Early

Thesis defense is not a 3 or 6 months’ exercise. Don’t wait until you have completed all your research objectives. Start your preparation well in advance, and make sure you know all the intricacies of your thesis and reasons to all the research experiments you conducted.

2. Attend Presentations by Other Candidates

Look out for open dissertation presentations at your university. In fact, you can attend open dissertation presentations at other universities too. Firstly, this will help you realize how thesis defense is not a scary process. Secondly, you will get the tricks and hacks on how other researchers are defending their thesis. Finally, you will understand why dissertation defense is necessary for the university, as well as the scientific community.

3. Take Enough Time to Prepare the Slides

Dissertation defense process harder than submitting your thesis well before the deadline. Ideally, you could start preparing the slides after finalizing your thesis. Spend more time in preparing the slides. Make sure you got the right data on the slides and rephrase your inferences, to create a logical flow to your presentation.

4. Structure the Presentation

Do not be haphazard in designing your presentation. Take time to create a good structured presentation. Furthermore, create high-quality slides which impresses the committee members. Make slides that hold your audience’s attention. Keep the presentation thorough and accurate, and use smart art to create better slides.

5. Practice Breathing Techniques

Watch a few TED talk videos and you will notice that speakers and orators are very fluent at their speech. In fact, you will not notice them taking a breath or falling short of breath. The only reason behind such effortless oratory skill is practice — practice in breathing technique.

Moreover, every speaker knows how to control their breath. Long and steady breaths are crucial. Pay attention to your breathing and slow it down. All you need I some practice prior to this moment.

6. Create an Impactful Introduction

The audience expects a lot from you. So your opening statement should enthrall the audience. Furthermore, your thesis should create an impact on the members; they should be thrilled by your thesis and the way you expose it.

The introduction answers most important questions, and most important of all “Is this presentation worth the time?” Therefore, it is important to make a good first impression , because the first few minutes sets the tone for your entire presentation.

7. Maintain Your Own List of Questions

While preparing for the presentation, make a note of all the questions that you ask yourself. Try to approach all the questions from a reader’s point of view. You could pretend like you do not know the topic and think of questions that could help you know the topic much better.

The list of questions will prepare you for the questions the members may pose while trying to understand your research. Attending other candidates’ open discussion will also help you assume the dissertation defense questions.

8. Practice Speech and Body Language

After successfully preparing your slides and practicing, you could start focusing on how you look while presenting your thesis. This exercise is not for your appearance but to know your body language and relax if need be.

Pay attention to your body language. Stand with your back straight, but relax your shoulders. The correct posture will give you the feel of self-confidence. So, observe yourself in the mirror and pay attention to movements you make.

9. Give Mock Presentation

Giving a trial defense in advance is a good practice. The most important factor for the mock defense is its similarity to your real defense, so that you get the experience that prepares for the actual defense.

10. Learn How to Handle Mistakes

Everyone makes mistakes. However, it is important to carry on. Do not let the mistakes affect your thesis defense. Take a deep breath and move on to the next point.

11. Do Not Run Through the Presentation

If you are nervous, you would want to end the presentation as soon as possible. However, this situation will give rise to anxiety and you will speak too fast, skipping the essential details. Eventually, creating a fiasco of your dissertation defense .

12. Get Plenty of Rest

Out of the dissertation defense preparation points, this one is extremely important. Obviously, sleeping a day before your big event is hard, but you have to focus and go to bed early, with the clear intentions of getting the rest you deserve.

13. Visualize Yourself Defending Your Thesis

This simple exercise creates an immense impact on your self-confidence. All you have to do is visualize yourself giving a successful presentation each evening before going to sleep. Everyday till the day of your thesis defense, see yourself standing in front of the audience and going from one point to another.

This exercise takes a lot of commitment and persistence, but the results in the end are worth it. Visualization makes you see yourself doing the scary thing of defending your thesis.

If you have taken all these points into consideration, you are ready for your big day. You have worked relentlessly for your PhD degree , and you will definitely give your best in this final step.

Defending Your Dissertation: A Guide

Dissertation defenses are daunting, and no wonder; it’s not a “dissertation discussion,” or a “dissertation dialogue.” The name alone implies that the dissertation you’ve spent the last x number of years working on is subject to attack. And if you don’t feel trepidation for semantic reasons, you might be nervous because you don’t know what to expect. Our imaginations are great at making The Unknown scarier than reality. The good news is that you’ll find in this newsletter article experts who can shed light on what dissertations defenses are really like, and what you can do to prepare for them.

The first thing you should know is that your defense has already begun. It started the minute you began working on your dissertation— maybe even in some of the classes you took beforehand that helped you formulate your ideas. This, according to Dr. Celeste Atkins, is why it’s so important to identify a good mentor early in graduate school.

“To me,” noted Dr. Atkins, who wrote her dissertation on how sociology faculty from traditionally marginalized backgrounds teach about privilege and inequality, “the most important part of the doctoral journey was finding an advisor who understood and supported what I wanted from my education and who was willing to challenge me and push me, while not delaying me.  I would encourage future PhDs to really take the time to get to know the faculty before choosing an advisor and to make sure that the members of their committee work well together.”

Your advisor will be the one who helps you refine arguments and strengthen your work so that by the time it reaches your dissertation committee, it’s ready. Next comes the writing process, which many students have said was the hardest part of their PhD. I’ve included this section on the writing process because this is where you’ll create all the material you’ll present during your defense, so it’s important to navigate it successfully. The writing process is intellectually grueling, it eats time and energy, and it’s where many students find themselves paddling frantically to avoid languishing in the “All-But-Dissertation” doldrums. The writing process is also likely to encroach on other parts of your life. For instance, Dr. Cynthia Trejo wrote her dissertation on college preparation for Latin American students while caring for a twelve-year-old, two adult children, and her aging parents—in the middle of a pandemic. When I asked Dr. Trejo how she did this, she replied:

“I don’t take the privilege of education for granted. My son knew I got up at 4:00 a.m. every morning, even on weekends, even on holidays; and it’s a blessing that he’s seen that work ethic and that dedication and the end result.”

Importantly, Dr. Trejo also exercised regularly and joined several online writing groups at UArizona. She mobilized her support network— her partner, parents, and even friends from high school to help care for her son.

The challenges you face during the writing process can vary by discipline. Jessika Iwanski is an MD/PhD student who in 2022 defended her dissertation on genetic mutations in sarcomeric proteins that lead to severe, neonatal dilated cardiomyopathy. She described her writing experience as “an intricate process of balancing many things at once with a deadline (defense day) that seems to be creeping up faster and faster— finishing up experiments, drafting the dissertation, preparing your presentation, filling out all the necessary documents for your defense and also, for MD/PhD students, beginning to reintegrate into the clinical world (reviewing your clinical knowledge and skill sets)!”

But no matter what your unique challenges are, writing a dissertation can take a toll on your mental health. Almost every student I spoke with said they saw a therapist and found their sessions enormously helpful. They also looked to the people in their lives for support. Dr. Betsy Labiner, who wrote her dissertation on Interiority, Truth, and Violence in Early Modern Drama, recommended, “Keep your loved ones close! This is so hard – the dissertation lends itself to isolation, especially in the final stages. Plus, a huge number of your family and friends simply won’t understand what you’re going through. But they love you and want to help and are great for getting you out of your head and into a space where you can enjoy life even when you feel like your dissertation is a flaming heap of trash.”

While you might sometimes feel like your dissertation is a flaming heap of trash, remember: a) no it’s not, you brilliant scholar, and b) the best dissertations aren’t necessarily perfect dissertations. According to Dr. Trejo, “The best dissertation is a done dissertation.” So don’t get hung up on perfecting every detail of your work. Think of your dissertation as a long-form assignment that you need to finish in order to move onto the next stage of your career. Many students continue revising after graduation and submit their work for publication or other professional objectives.

When you do finish writing your dissertation, it’s time to schedule your defense and invite friends and family to the part of the exam that’s open to the public. When that moment comes, how do you prepare to present your work and field questions about it?

“I reread my dissertation in full in one sitting,” said Dr. Labiner. “During all my time writing it, I’d never read more than one complete chapter at a time! It was a huge confidence boost to read my work in full and realize that I had produced a compelling, engaging, original argument.”

There are many other ways to prepare: create presentation slides and practice presenting them to friends or alone; think of questions you might be asked and answer them; think about what you want to wear or where you might want to sit (if you’re presenting on Zoom) that might give you a confidence boost. Iwanksi practiced presenting with her mentor and reviewed current papers to anticipate what questions her committee might ask.  If you want to really get in the zone, you can emulate Dr. Labiner and do a full dress rehearsal on Zoom the day before your defense.

But no matter what you do, you’ll still be nervous:

“I had a sense of the logistics, the timing, and so on, but I didn’t really have clear expectations outside of the structure. It was a sort of nebulous three hours in which I expected to be nauseatingly terrified,” recalled Dr. Labiner.

“I expected it to be terrifying, with lots of difficult questions and constructive criticism/comments given,” agreed Iwanski.

“I expected it to be very scary,” said Dr. Trejo.

“I expected it to be like I was on trial, and I’d have to defend myself and prove I deserved a PhD,” said Dr Atkins.

And, eventually, inexorably, it will be time to present.  

“It was actually very enjoyable” said Iwanski. “It was more of a celebration of years of work put into this project—not only by me but by my mentor, colleagues, lab members and collaborators! I felt very supported by all my committee members and, rather than it being a rapid fire of questions, it was more of a scientific discussion amongst colleagues who are passionate about heart disease and muscle biology.”

“I was anxious right when I logged on to the Zoom call for it,” said Dr. Labiner, “but I was blown away by the number of family and friends that showed up to support me. I had invited a lot of people who I didn’t at all think would come, but every single person I invited was there! Having about 40 guests – many of them joining from different states and several from different countries! – made me feel so loved and celebrated that my nerves were steadied very quickly. It also helped me go into ‘teaching mode’ about my work, so it felt like getting to lead a seminar on my most favorite literature.”

“In reality, my dissertation defense was similar to presenting at an academic conference,” said Dr. Atkins. “I went over my research in a practiced and organized way, and I fielded questions from the audience.

“It was a celebration and an important benchmark for me,” said Dr. Trejo. “It was a pretty happy day. Like the punctuation at the end of your sentence: this sentence is done; this journey is done. You can start the next sentence.”

The Last Big Hurdle: How to Prepare for a Successful PhD Defence

It’s the moment almost everyone who completes a PhD both dreads and looks ahead to for years—the defence. It signals a major achievement, but in people’s imaginations, it can seem like the stuff of nightmares… standing frozen in front of everyone, unable to answer a tricky question posed by a committee member and feeling like you must look incompetent. The format of a doctoral defence varies from field to field, but the worst fears of the candidates remain largely the same. Though most people know it probably won’t go so badly, the open-ended-ness can certainly be intimidating- you’re up there alone in front of a panel of experts who get to ask you whatever they’d like, and you may have to deliver your answers in front of an audience of your peers. There are few experiences in academic life more geared to be stressful for the person at the centre of them.

It doesn’t have to be that bad. I spent the weeks leading up to my PhD defence in a state of near panic, but I can honestly say that once it actually got underway, I sort of enjoyed it. You’re the star of the show and get to walk your peers through the finer points of your research. It can be a really invigorating experience. So let’s try to break this down into bite-sized chunks and look at strategies and tips for making your defence an event you might actually look back fondly on.

What the committee wants

Let’s start with what the committee is actually looking for. They want to see a firm grasp of the subject matter, an understanding of the implications of the work, and the ability to see weaknesses in the methodology and possible routes to take for future work. This means creating a presentation that gives a clear, logical overview of your topic, the question you’re addressing, what you did, your results and conclusions, and where the research can go from here. Remember, your jury members are not out to get you. The questions you receive from them will generally fall under one of three headings- those that test your subject knowledge, those that clarify a confusing point, and those that arise from genuine curiosity. If your presentation does a good job of conveying your knowledge of your topic, you can expect more questions from the second and third categories, allowing you to think of the defense more as a conversation amongst experts than a test from on high.

How to prepare

Practice is obviously very important here. Once you’ve put your talk together, find a trusted friend or mentor (ideally, several of them) who knows your field to go through it with you. They can both help you to pare down unnecessary parts and point out logical leaps you may not have noticed because you’re so close to the subject matter. You also want this to be a person who will ask you tough questions and try to spot holes in your reasoning, so choose your test audience carefully. It can be tempting to spend a lot of time obsessing over your slides, trying to make them perfect, but there’s a lot of studying you’ll need to do to be ready for more tangential questions, so don’t lose too much time this way.

Even though you have lived and breathed your thesis topic for years, it’s a good idea to give your thesis a complete re-read just to make sure you really know what’s in there. It may have been months since you finished writing it, and parts may have gotten a little fuzzy since then. Make sure you know why you used the methodology that you did, be able to justify any conclusions you’ve made, and if there are mistakes, admit them openly at the defence and be able to talk about what you should have done differently—the committee isn’t looking for perfection, they’re looking for clear thinking and thorough consideration of methodology.

This is also a good time to review important topics that are peripheral to your work; this will allow you to answer some of the questions designed to test the limits of your broader knowledge of your field. One of the best pieces of defence preparation advice I’ve ever heard is to find out what each of your committee members’ professional interests are, and do a bit of reading on those topics. There’s a very good chance that they’ll ask you something that’s related to their own work, because that’s familiar ground to them, and you may be able to anticipate these questions this way.

Finally, though it’s less and less of a problem as technology improves, you’ll want to make very sure ahead of time that all your presentation gear works and connects properly to the display equipment in the room where your defence will be. No one wants to be running around at the last moment looking for a dongle they didn’t think they needed, or have their laptop’s battery run out partway through the defence. Check that your slides look the same way on the projection screen as they do on your computer- not cut off or too dark. It also doesn’t hurt just to spend time in the room in which you’ll be presenting, to get a feel for the place and see where everything will be positioned.

Common questions and ideas to think about

  • What makes your project original, and how does it answer a previously unanswered question? What have you contributed to the body of knowledge on this topic?
  • Why was this question important to ask? Why do we care about what your findings reveal? (Hint: “Just for the sake of knowing” is not an acceptable answer here.)
  • Did the focus of your project change over its course? If so, explain how and why.

Methodology

  • Why did you choose your methodological approach (including your statistical analyses)? Why is it superior to or more appropriate than all other methodologies?
  • Talk about the difficulties you experienced with your methodology and how you addressed them.
  • What are the limitations of your study design/methodology?
  • Explain how your data represent an appropriate source of measurement to address your question.
  • Is the amount of data gathered sufficient to address your question? Why or why not?
  • If you could do it again with unlimited time and funds, how would your methodology change?

Conclusions

  • What would you say is the most important “take-away” message of your work?
  • Does your work have wider implications for other disciplines in your field?
  • How do your conclusions support or contradict the existing literature?
  • Are there alternative ways your data could have been interpreted?
  • Speculate about what broader implications your research could have, but which aren’t addressed by your data, or were outside the scope of your project.
  • If you were to continue on with this area of research, what would you do next to further your results? Is there a closely related “spin-off” question that needs to be answered?
  • Propose an experimental design to test this related question. What results might you expect to see?
  • Where do you think this field of study is headed in the next five to ten years?

Tips, tricks, and stress management

  • Practice the first few minutes of your talk until you can do it on ‘autopilot’; this will give you a bit of time to relax into your presentation, get your thoughts in order, and begin talking more confidently.
  • If your defence is open to the public, ask a few supportive friends or colleagues to sit where you can easily make eye contact while you’re talking. Seeing a friendly, smiling face can be encouraging and help you to relax.
  • Don’t forget to review the newest literature in the weeks leading up to your defence—one or more important papers may have been published in your field since you wrote your thesis, and you’ll want to know about them.
  • Have a hard copy of your thesis on hand during the defence. It’s much faster to flip to a physical page when asked about a particular section of the text. If this really isn’t for you, be sure you have a quick way to move through pages on your computer.
  • Eat and drink the same things you normally would on the day of your defence. Your stomach may be extra sensitive in response to the stress, and you don’t want to surprise it with anything new. And go easy on the caffeine… jittery-ness will not help you to manage your stress!
  • Try to let your enthusiasm for your subject matter show; your audience will feel more positive about your talk if they can see that you really find the work fascinating.
  • It’s fine to take a moment to think about your answer before responding. The silence isn’t as long or as deafening as you think it is. And if you don’t know, just admit you don’t know—it’s okay to not know everything.
  • Dress well, but comfortably, and try to project confidence. If you can speak to your committee as a group of your peers, it will reflect well on your growth as a scientist in training- and demonstrate you are someone who deserves to be awarded their doctorate.
  • Don’t forget to publicly thank your advisor, your committee, and any other key people involved with your project for their time commitment and investment in your career.
  • When planning post-defence festivities, be aware that you may be more tired, both mentally and emotionally, than you expected. Don’t ask too much of yourself in the hours following the event.

A bit of encouragement

Above all, there are two things you need to remember while preparing for your defence. First, your advisor and committee would not have allowed you to proceed to this point if they didn’t think you were ready. They want to see you succeed and, altruism aside, it would reflect badly on them as well if you were to fail. Trust that they’ve made the right decision. Second, after years of delving into your little corner of the scientific world, no one knows your thesis topic better than you do—not even your committee. Marshall your facts and feel confident in knowing that on this topic, you’re the world expert.

FAQ : The “Snake Fight” Portion of Your Thesis Defense

Q: Do I have to kill the snake? A: University guidelines state that you have to “defeat” the snake. There are many ways to accomplish this. Lots of students choose to wrestle the snake. Some construct decoys and elaborate traps to confuse and then ensnare the snake. One student brought a flute and played a song to lull the snake to sleep. Then he threw the snake out a window.

Q: Does everyone fight the same snake? A: No. You will fight one of the many snakes that are kept on campus by the facilities department.

Q: Are the snakes big? A: We have lots of different snakes. The quality of your work determines which snake you will fight. The better your thesis is, the smaller the snake will be.

Q: Does my thesis adviser pick the snake? A: No. Your adviser just tells the guy who picks the snakes how good your thesis was.

Q: What does it mean if I get a small snake that is also very strong? A: Snake-picking is not an exact science. The size of the snake is the main factor. The snake may be very strong, or it may be very weak. It may be of Asian, African, or South American origin. It may constrict its victims and then swallow them whole, or it may use venom to blind and/or paralyze its prey. You shouldn’t read too much into these other characteristics. Although if you get a poisonous snake, it often means that there was a problem with the formatting of your bibliography.

Q: When and where do I fight the snake? Does the school have some kind of pit or arena for snake fights? A: You fight the snake in the room you have reserved for your defense. The fight generally starts after you have finished answering questions about your thesis. However, the snake will be lurking in the room the whole time and it can strike at any point. If the snake attacks prematurely it’s obviously better to defeat it and get back to the rest of your defense as quickly as possible.

Q: Would someone who wrote a bad thesis and defeated a large snake get the same grade as someone who wrote a good thesis and defeated a small snake? A: Yes.

Q: So then couldn’t you just fight a snake in lieu of actually writing a thesis? A: Technically, yes. But in that case, the snake would be very big. Very big, indeed.

Q: Could the snake kill me? A: That almost never happens. But if you’re worried, just make sure that you write a good thesis.

Q: Why do I have to do this? A: Snake fighting is one of the great traditions of higher education. It may seem somewhat antiquated and silly, like the robes we wear at graduation, but fighting a snake is an important part of the history and culture of every reputable university. Almost everyone with an advanced degree has gone through this process. Notable figures such as John Foster Dulles, Philip Roth, and Doris Kearns Goodwin (to name but a few) have all had to defeat at least one snake in single combat.

Q: This whole snake thing is just a metaphor, right? A: I assure you, the snakes are very real.

What is a dissertation defense?

The final oral examination for a doctoral candidate, commonly known as the dissertation defense, represents the conclusive formal stage prior to the submission of the dissertation manuscript and the conferral of the doctoral degree. This examination centers on the dissertation itself and its relevance within the candidate's area of academic specialization.

A successful defense is the peak of your academic career, so don’t treat it lightly. Make sure that you take enough time to learn everything there is to know about the topic and prepare well. If you look at your paper and it seems raw or unfinished, and especially if your academic advisor says so, it might be best to take another semester for prep. We don’t mean to scare you, but it truly is a responsible moment, and if you fail your defense, all the years of hard work will be wasted.

Defending doctoral dissertation is not going to be easy. If you don’t get to choose the members of your board and you will be met with unfamiliar faces, you might start to panic and feel lost. This is exactly why you need to be over-prepared. In fact, there’s no such thing as being overly prepared when it comes to your defense. Think of all the possible questions your dissertation committee members may have, even the most far-fetched ones, and then find the answers.

Doctoral dissertation defense process

During the dissertation defense, the candidate delivers an oral presentation of their dissertation to the Supervisory Committee (refer to the Supervisory Committee Policy) and to a public audience. The length of both the oral presentation and the subsequent question-and-answer session is determined through consultation between the Committee and the candidate, ensuring it meets the specific requirements and standards of the process.

The dissertation defense process, often the culmination of a doctoral program, is a critical step in the journey towards earning a PhD or similar advanced degree. This process involves several key stages designed to assess the quality, originality, and contribution of the candidate's research. Here's a general overview:

  • Completion of the Dissertation : Before the defense can be scheduled, the dissertation must be completed. This involves conducting original research, writing up the findings, and often, revising the document based on the advisor's feedback.
  • Submission of the Dissertation : Once the dissertation is completed and approved by the advisor, it must be submitted to the department or dissertation committee for review. This submission typically includes a written document detailing the candidate's research findings and conclusions.
  • Scheduling the Defense : After the dissertation is submitted, a defense date is scheduled. The timing of this can vary widely depending on the institution and the specific requirements of the department.
  • Preparation for the Defense : The candidate prepares a formal presentation of their research findings. This presentation is typically structured to highlight the research question, methodology, key findings, and the significance of the work.
  • The Defense Event : The defense itself is a public forum in which the candidate presents their research to the dissertation committee and often, an audience of peers, faculty, and sometimes the general public. Following the presentation, committee members and sometimes audience members ask questions related to the research and the findings.
  • Question and Answer Session : This session allows the committee to probe the candidate's understanding of the research area, methodology, and conclusions. The candidate must defend their research choices and conclusions, demonstrating deep knowledge of the subject.
  • Committee Deliberation : Following the Q&A, the committee deliberates in private to decide whether the candidate has successfully defended the dissertation. Criteria for success can include the originality of the research, the soundness of the methodology, and the significance of the contributions to the field.
  • Outcome Announcement : The committee then informs the candidate of the outcome. Possible outcomes can include pass, pass with minor revisions, pass with major revisions, or fail, although specifics can vary by institution.
  • Completion of Revisions (if required) : If the committee requires revisions, the candidate must complete these before the degree can be officially awarded. The scope of revisions can vary significantly.
  • Final Submission : After any required revisions are made and approved by the committee, the final version of the dissertation is submitted to the university. This often includes submitting bound copies of the dissertation and making it available through the university's library or institutional repository.
  • Graduation and Degree Conferral : Following successful defense and submission of the final dissertation, the candidate is eligible to graduate and receive their doctoral degree.

This process is a significant milestone in an academic career, representing the transition from student to scholar and contributing new knowledge to the field.

Even though it may seem horrible and nerve-racking, the process of defending your dissertation is pretty straightforward. And if you take your time to prepare for it well, you will not have any problems with the defense itself.

The scariest part is presenting your work to a group of professionals. You have to show your proficiency in the field, ability to think critically and withstand criticism. Most colleges and universities will allow you to choose your own committee. So, try to take your pick as early as possible so you’re not left with people the rest of your group didn’t want. 

How to defend dissertation?

Navigating your dissertation defense involves thorough prep, including understanding your institution's format, mastering your material, anticipating committee questions, and perfecting your presentation. The most important thing you need to do to defend my dissertation is to start your prep early enough. What does it mean to defend your dissertation? Your defense is the pinnacle of all the hard work you've put in your studies throughout the years. Every time you write a paper, you must understand that you may use that research for your dissertation. So, your prep for dissertation defense starts as soon as you enter college.

What is defending a dissertation? Are there dissertation committee members?

Defending dissertation meaning is the process of presenting your research and findings to the board. Regardless if you buy dissertation or write it yourself, you will need to defend it. This is why you need to prepare carefully for your defense - study your paper through and through, think about all the possible questions you may be asked and think of the answers.

The dissertation committee or the dissertation chair are faculty members that will simply ask dissertation defense questions - some about research methodology, and some about the primary role of your work. Before the actual oral defense, try setting up a mock defense with your friend and go over the important topics.

How long is a thesis defense?

It depends on the length of your paper. Since your master’s thesis will probably be a bit shorter than a doctorate dissertation, you can count on your oral defense lasting up to an hour. Again, the length of the doctorate defense depends on how well you are prepared and how you handle the professors’ questions. 

Swath and Dive: A pattern for PhD defense presentations

In recent times I’m having the fortune of seeing several of my own doctoral students approach the end of the doctoral journey (yes, it does end!). As they submit the dissertation and prepare for their defense, there is one piece of advice I find myself giving again and again, about how to tackle the impossible task of presenting multiple years of research work in less than one hour. In this post, I describe a “presentation design pattern” for thesis defenses, which builds upon classic conceptualization exercises advocated in the blog. I also illustrate it with an example from my own thesis defense presentation, more than ten years ago (gasp!).

I still vividly remember when I had to prepare my defense presentation, how I tried to shoehorn tons of concepts into an impossibly small number of slides… which still were too many for the 45-minute talk I was supposed to give at the defense. After several rehearsals (with an audience!) and lots of feedback from my colleagues and advisors, I finally stumbled upon a solution. Later on, I have found that a similar structure was also helpful to other doctoral students preparing their defenses.

The rest of the post takes the form of a presentation design pattern , i.e., a description of “a problem that occurs over and over again in our environment, and […] the core of the solution to that problem, in such a way that you can use this solution a million times over, without ever doing it the same way twice." 1 (a concept originally proposed in architecture, and later used in software engineering, pedagogy and many other fields). I have called this pattern Swath and Dive (for reasons that will become obvious in a minute).

The context: when is this pattern applicable?

When you have to prepare an oral presentation for a doctoral dissertation defense. This pattern is especially helpful if the research is a bit complicated (e.g., composed of multiple contributions , multiple studies, or using multiple research methods) and it is not obvious what contents to include/exclude from the presentation.

What is the problem? What forces are at play?

The main problem this pattern tries to solve is the seeming impossibility of showing 3+ years of research work in less than one hour. While time restrictions and structure for the defense are different in different countries, typically 25-60 minutes are allocated for the presentation. This limited time is a key force at play, but there are others as well:

  • The sheer volume of a thesis dissertation’s contents (typically, a 100-500 pages document), which itself is a condensation of years of hard research work.
  • Defending PhD students need to prove to the jury that they are now competent, independent researchers (i.e., they master the literature of their topic, are able to apply a research methodology and think critically about the results ).
  • The varying levels of expertise and familiarity of the jury members with the concrete thesis topic.
  • The varying levels of knowledge that jury members have of the dissertation materials (i.e., did they read the dissertation document in full? with what level of attention?). While all members are supposed to have read the document, in practice there is a lot of heterogeneity in compliance.

The typical end product of these forces is what I call the “skimming” approach to the defense presentation (see picture below): The presentation provides only a very high level overview of the main elements of the dissertation document (sort of like a table of contents). More often than not, too much time is spent in the introductory and related literature parts of the presentation (which are somehow “safe”, less likely to be criticized – another instance of avoidance at work in the PhD ), and time runs out when the student is getting to the really interesting part for the jury (the student’s own work). This approach of course has the critical flaw of not showcasing enough of the student’s own abilities and research outcomes.

How to avoid “skimming” your dissertation? Enter Swath and Dive .

The solution: Swath and Dive

What I propose in this pattern is to structure the presentation in a different way, a way that tries to balance the need for an overview of the dissertation and (at least some of) the richness of the investigation and the hard work the student has put behind it. The proposed structure goes like this:

A swath is “a long broad strip or belt” of grass, often left by a scythe or a lawnmower. In the context of a dissertation defense presentation, this is where the student gives the overview of the main elements of the thesis: key related scientific literature , main research questions , contributions to knowledge the dissertation makes, etc. Long-time readers of the blog will recognize these key elements as the components of the CQOCE diagram , one of the key reflection exercises in the “Happy PhD Toolkit” to (iteratively) understand and discuss with supervisors the overall view of the thesis. Aside from those key elements, probably some notes about the research methodology followed (which are not part of the canonical CQOCE diagram exercise) will also be needed.

In a sense, the Swath is not so different from the typical “skimming” mentioned above. There are several crucial differences, however: 1) when developing the Swath , we need to keep in mind that this is only a part (say, 50%) of the presentation time/length/slides; 2) the Swath should give equal importance to all its key elements (e.g., avoiding too much time on the literature context of the thesis, and making the necessary time for the student’s own research questions, contributions and studies); and 3) the Swath does not need to follow the chapter structure of the dissertation manuscript, rather focusing on the aforementioned key elements (although scattering pointers to the relevant chapters will help orient the jury members who read the dissertation).

Then, within this high-level Swath describing the dissertation, when we mention a particular contribution or study, it is time to do…

This part of the presentation is where the student selects one study or finding of the thesis and zooms in to describe the nitty-gritty details of the evidence the student gathered and analyzed (if it is empirical research), how that was done, and what findings came out of such analysis. The goal here is to help the audience trace at least one of those high-level, abstract elements, all the way down to (some) particular pieces of the raw data, the evidence used to form them.

How to select which part to Dive into? That is a bit up to the student and the particular dissertation. The student can select the main contribution of the dissertation, the most surprising finding, the largest or most impressive study within the work, or the coolest, most novel, or most difficult research method that was used during the dissertation process (e.g., to showcase how skillfully and systematically it was used). The student should give all the steps of the logic leading from low-level evidence to high-level elements – or as much as possible within the time constraints of the presentation (say, 30% of the total length/time/slides).

An essential coda: Limitations and Future Work

Although this didn’t make it to the title of the pattern, I believe it is crucially important to keep in mind another element in any good defense presentation: the limitations of the student’s research work, and the new avenues for research that the dissertation opens. These two areas are often neglected in crafting the defense presentation, maybe with a single slide just copy-pasting a few ideas from the dissertation manuscript (which were themselves hastily written when the student was exhausted and rushing to finish the whole thing). Yet, if the student convinced the jury of her basic research competence and knowledge during the Swath and Dive part, a big part of the jury questions and discussion will focus on these apparently trivial sections.

When doing the limitations, the student should gloss over the obvious (e.g., sample could have been bigger, there are questions about the generalizability of results) and think a bit deeper about alternative explanations that cannot be entirely ruled out, debatable aspects of the methodology followed… squeeze your brain (and ask your supervisors/colleagues) to brainstorm as many ideas as possible, and select the most juicy ones. For future work, also go beyond the obvious and think big : if someone gave you one million dollars (or 10 million!), what cool new studies could continue the path you opened? what new methods could be applied? what experts would you bring from other disciplines to understand the phenomenon from a different perspective? what other phenomena could be studied in the same way as you did this one? Try to close the presentation with a vision of the brighter future that this research might unleash upon the world.

Give a high level overview of the key elements of the dissertation and a deep dive into at least one interesting finding

Swath and Dive: a different way of structuring your defense presentation

To understand how this pattern could look like, I can point you to my own thesis defense presentation, which is still available online . This is not because the presentation is perfect in any way, or even a good example (viewing it today I find it overcomplicated, and people complained of motion sickness due to its fast pace and Prezi’s presentation metaphor of moving along an infinite canvas)… but at least it will give you a concrete idea of what I described in abstract terms above.

If you play the presentation , you will notice that the first few slides (frames 1-6) just lay out the main construct the dissertation focuses on (“orchestration”), the structure of the presentation and its mapping to dissertation chapters. Then, the bulk of the presentation (frames 7-117) goes over the main elements of the dissertation according to the CQOCE diagram , i.e., the Swath part of the pattern. Within this high-level view of the dissertation, I inserted a short detour on the research methodology followed (frames 25-28) and, more importantly, several Dives into specific findings and the evidence behind them (frames 43-48, 66-72, and 99-112). Then, frames 118-136 provide the conclusive coda that includes the future work (but not the limitations, which were peppered through the Swath part of the presentation – a dubious choice, if you ask me today).

Variations and related patterns

As you can see from the example above, one does not need to follow the canonical version of Swath and Dive (mine is rather Swath and Three Dives ). Yet, paraphrasing Alexander, that is the point of the pattern: to have the core of the idea, which you can use to produce a million different solutions, tailored to your particular context and subject matter.

It is also important to realize that this structuring pattern for thesis defense presentations does not invalidate (rather, complements) other advice on preparing scientific presentations 2 , 3 , 4 and thesis defenses more specifically 5 . It is all very sound advice! For instance, once you have the structure of your Swath and Dive defense presentation, you could use the NABC technique to ensure that the Need, Approach, Benefits and Competition of each of your knowledge contributions are adequately emphasized. And you can rehearse intensively, and with an audience able to come up with nasty questions. And so on…

What questions to prepare for PhD defense?

I will soon defend my PhD in social science in Sweden. I want to ask what questions the evaluation committee will ask me during the defense? If they ask me some questions outside my thesis, what shall I do? Is it enough only know well my own research? What quality I need to successfully defend my PhD?

  • 4 I don't recall ever hearing any restrictions on what I can ask in a thesis defense. Ordinarily, I ask about things in the thesis, prerequisites for things in the thesis, and things that the candidate happens to mention during the defense. I could, in principle, ask a completely off-topic question, to which the candidate might well reply "I have no idea"; presumably, such an answer wouldn't damage the outcome of the defense (unless the other 4 examiners agree with my craziness). –  Andreas Blass Commented Mar 30, 2015 at 13:37

  • 4 I was asked "who is Maud Menten?" (see 1910's at famouscanadianwomen.com/famous%20firsts/… ) Since I used the Michaelis-Menten equation in my work, it was borderline relevant. Luckily there is a plaque to her on the U of T campus, so I knew both the equation half of the answer and the trivia question half. That was the only question that examiner asked. Seriously, know your thesis well and ask your supervisor if you can expect anything unusual, and you'll be ok. Generally speaking, PhD defenses come in two flavors, and it is not possible to say a priori which one yours will fall into:

  • A real thesis "defense" focuses on the thesis, and all questions will relate to the scope of the research work. In this case, knowing your own work and its context well enough should be sufficient, but it is of course possible that somebody asks you why you used method A rather than B. In this case, saying that you don't know B may not fly as an answer. However, you should not get a completely disconnected question just to test your general subject area knowledge.
  • A "Rigorosum" ( dict.leo translated this for me to "doctoral viva", no idea if this is a well-known term) is a general final exam for a doctoral candidate. Typically, this will also include questions about the disseration, but anybody in the exam commission is free to ask about other topics in the field as well. Typically, the questions are getting "easier" (more high-level) the farther they are away from the topic of the dissertation. The claim here is that a fresh PhD should have both, depth and breadth in her/his knowledge.

There are a number of ways to figure out which class your defense will fall into:

  • Attend other defenses . Typically, PhD defenses are public, and it is highly recommended that any PhD candidate should visit a few before her/his own, to get to know the procedure and get a feel for what the defense talk is supposed to look like.
  • Ask your advisor . The advisor should obviously know what the requirements of the defense are, exactly.
  • Look it up in the programme description . Usually, the programme description will contain exam regulations for the defense, and this should describe the exam procedure and who is supposed to ask what kind of questions. This approach has two dangers: (1) you may misunderstand what the exam regulations are saying - as they are more legalese text, you may misunderstand the gist of it, and (2) the actual exam may happen differently than specified - there is no telling whether the exam regulation exactly captures the real spirit of the defense. Hence, you should really also talk to your advisor and/or attend other defenses as well.

  • 9 Typically, there's a non-public part of the defense after the public part where the general public is asked to leave and the committee can grill the candidate in private. That's where the interesting/hard/potentially embarrassing questions are likely to come.   • "Viva" (short for viva voce ) is the term used in the UK (and some other countries?), I'm not sure if use of this term corresponds to your two categories or not. At my UK university you are expected to answer questions generally on your field as well as your thesis. –  MJeffryes Commented Mar 30, 2015 at 16:48

Some types of questions that often come up:

Questions about some detail of your work. The point of such questions is often not so much the correctness of this small part of your dissertation, but rather to get you to demonstrate your ability to explain what you've done. This also helps to balance out the presentation, which typically covered the whole thesis in much less detail. For example, in mathematics you might be asked to go over the proof of one of your theorems in detail. Since you've spent more time working on these details than any of the examiners, and assuming that the examiner hasn't spotted a substantial error, you should be in a good position to answer such a question. Don't panic and assume that you've made some huge mistake, but rather go through the material carefully and convince the examiner that you're correct.

What are the broader implications of your work? This is actually a hard question for most students to answer because they've been so focused on the details of their thesis that they may not have taken time to see how it fits into the broader picture of progress in their discipline. This will also be an important question when you eventually interview for faculty positions.

Can this method be applied to some other problem Y? You may be asked how the techniques used in your dissertation could be applied to a different problem. If the answer is that the technique doesn't extend in that direction, then you should be prepared to explain why not.

Questions about what exactly is new in your work. You should have been extremely careful in writing your dissertation to properly cite earlier work and distinguish your new contributions from that earlier work. If this isn't clear to the examiners, you may be asked to clarify.

I attended about a dozen PhD defenses and recently defended my own PhD. Based on my (very limited) experiences, questions can be roughly categorized into two types:

Knowledge : the first set of questions or statements are usually to test your knowledge on your topic, the related work and whatever you have written down in your thesis and/or papers. If you have done all the work, these are mostly fairly easy to answer and are your way to demonstrate the awesome work you have done. These questions are to clarify, justify and frame your work related to others, in order to get a solid understanding of your contribution. Examples:

  • Can you explain what you mean with #concept you introduce#?
  • Why did you categorize or describe #your concept# in this way?
  • I believe #your topic# relates to #other guys theory# in such a way, which introduces an interesting contradiction. Can you comment or elaborate on this?
  • What is the main limitation of your work, and how could you address it?

Reasoning : committee members may also ask provocative or even harsh questions to see how strong you believe in your work but also whether you can transcend your topic and reason on a higher level. These questions or statements can be directly related to your topic but can also be more general. These types of questions are usually given to see how well the candidate performs when put under pressure and when they are questioned about things beyond their thesis. These can be interpreted as "nasty" questions, but remember that you can turn the questions around to your advantage. Examples:

  • Why do you believe this is science? What is science?
  • You spend #x# years researching this? Why did you choose the topic and why should we and the community care about it?
  • I don't see the contribution in your work, can you explain?
  • Why do you think you deserve a PhD?
  • Why did you choose this specific application domain?

Again, this is based on my personal limited experience, but it applied to my PhD defense as well.

You do not have much influence on the questions from the committee. If your PhD studies were more or less normal and you got that far, everyone wants you to succeed. They will not ask anything incredible (if they are relatively normal as well).

As for the public questions, my experiences are :

the friends you gave questions to. You have to choose the ones who have good reflexes to jump up and down when time for public questions come. You also have to train the "what a surprising question look"

the odd colleague who decided to ask a question about something related to your field, but far enough for you to have no idea. You sweat a lot, visualize him hanging on a tree and hope for the best. Best is to answer whatever you know on the subject and everyone acts happy. If he persists then you ask him what is his view on the subject so that he sits down ashamed mumbling "I have no idea"

finally the 173 years old professor who absolutely wants you to discuss his article from 1952. You thank for the question and talk about the article from 2012 someone wrote on a related subject.

What? Why? How? A list of potential PhD defense questions

In August 2020, I defended my PhD successfully. In the preceding months, I had generated a list of potential defense questions by using various different sources (websites, other defenses I watched, colleagues, and my supervisors). The list ended up helping me a lot. Today I shared this list with a colleague who is soon defending, and I thought: Why not share it publicly?

Note: The questions were compiled with a Finnish PhD defense in mind. In Finland, the defense is at the very end of the research process, and no changes to the PhD will be made after the event. The defense is also a public event.

Title and cover.

  • Why did you choose this title? Were there any other kinds of titles you were considering?
  • Why did you choose this photo/image as your thesis cover? (if there is one)

Topic and contribution to the field

  • Why did you choose this research topic?
  • Why do you think this topic is important? For whom is it important?
  • What do you think your work has added to the discipline/field/study of this topic?
  • How is your study original?
  • [Your topic] seems to be something that is usually studied discipline X. However, your thesis represents discipline Y. How did you navigate the interdisciplinarity of your work?

Paradigm/theory/concepts

  • How did you decide to use this particular conceptual/theoretical framework?
  • How did your chosen framework help you to explore your research problem?
  • How would someone using another theoretical framework interpret your results?
  • What are the shortcomings of this particular theory/conceptual framework?
  • How would you describe/define/summarise … [insert a term]
  • In your work, you introduce a new concept/theory. Why did you decide to do that instead of using an existing concept/theory?
  • Could you describe your theoretical/methodological framework in a way that the audience also understands it? (for public defenses)

Literature review

  • Why did your literature review cover these areas but not others?
  • The literature review looks very tidy – doesn’t anything challenge it?
  • Why did you (not) include the work by X in your study?
  • Which scholar(s) have you been influenced by the most?

Research question(s)

  • How did you come to formulate this particular research question / these research questions?
  • How did your research questions/problem changed during the research process?
  • Were there research questions you decided to add/remove during the research process?
  • Why don’t you have a research question?
  • How did you decide to use these particular methods of data collection/analysis? Were there other options you considered?
  • Why did you choose quantitative/qualitative/mixed methods approach?
  • What informed your choice of methods?
  • What are the advantages/disadvantages of the chosen methods?

  • Describe how you generated your data.
  • Why did you analyse your data in this way? What other ways were there available? Why didn’t you choose those methods?

  • How would you explain the low/high response rate of your survey?
  • How did you triangulate your data?
  • If you could do your study all over again with unlimited resources, how would you do it?
  • How do you explain the discrepancy between your findings and the findings of previous studies?
  • Did you expect these kinds of results? Why (not)?
  • What is the most important result of your work?
  • Who should care about your work and the results?
  • How generalizable are your findings and why?
  • Were there any other ways to present your results?
  • Based on your findings, how would you develop [your topic]?
  • What is common or different to these substudies included in your dissertation?

Research process

  • What kind of a dissertation did you want to do originally? Why did your plans change?

  • Is there anything else that you would like to tell us about your thesis which you have not had the opportunity to tell us during the defense?

  • What do you plan to do next with your data?
  • What would be the next logical study to do as a follow-up to this one?
  • What will you study next?
  • How does gaining a doctorate advance your career plans?

Odd Question- Snacks for Qualifying Exam?

Hi! I have a bit of an odd question. My uni does completely oral qualifying exams- you & your 5 committee members in a room for 3 hours or so.

My exam is at a decently early time in the morning and I've heard suggestions of bringing snacks & drinks (things like breakfast danishes & coffee or so).

Is this something that is common or something that I should do? I feel like it would be kind of rude not to, since it is going to be in the AM, but it also feels oddly like I'm trying to butter them up.
