Here is How to Search for PPT Presentations

By Med Kharbach, PhD | Last Update: May 17, 2024

How to Search for PPT Presentations

If you are looking for PPT search engines here are two options to consider. Keep in mind that there are no real quality search engines that are entirely dedicated to PowerPoint presentations. I mean quality search engines  because you will find some out there but not worth mentioning here.  I tried many platforms and I landed the two options below.

1. How to use Google to search for PowerPoint presentation?

The first option and the one that I prefer is using Google Search  engine. Several people disregard this handy feature in Google that allows you to narrow down you search to specific file type. You can easily search for documents by file type using Google Adavcned search.  Files supported include PT, doc, PDF, rft, swf, kmz, and many more.

Here is how to search for PPT presentations in Google: First type in your search query, click on  Advanced Search, and scroll down to file format and choose PPT or any other file format for that matter. Watch this video to see this hack in action

2. Slideshare

Slideshare is not a search engine but rather a content sharing platform where you can search for, access, and share presentations and infographics. You can use the site’s search engine to look for PPT presentations or you can browse through the collection by topic. Presentations are arranged into various categories including: Education, Art & Photos, Business, Design, Engineering, Environment, Internet, Food, Health & Medicine, News and Politics, Self improvement, Science, Technology, Sports, and many more.

How to Search in PowerPoint

A laptop with a magnifying glass hovering over a powerpoint slide

PowerPoint is an incredibly powerful tool for creating presentations, but it can be frustrating when you need to find a specific slide or piece of content within a large presentation. Fortunately, PowerPoint includes a number of search features that can help you quickly locate the information you need. In this article, we’ll cover all of the different ways you can search within PowerPoint, including advanced search options, tips and tricks for efficient searching, common errors to watch out for, and more. So whether you’re a PowerPoint novice or a seasoned pro, read on to learn everything you need to know about searching in PowerPoint.

Table of Contents

Using the Navigation Pane to Search for Slides

The easiest way to search for slides within a PowerPoint presentation is to use the Navigation Pane. To open the Navigation Pane, simply click the “View” tab on the ribbon, then check the “Navigation Pane” box in the “Show” group. This will display a pane on the left side of the screen that shows a thumbnail view of each slide in the presentation. You can then scroll through the thumbnails to find the slide you’re looking for, or use the search bar at the top of the pane to search for slides by title or content.

Another useful feature of the Navigation Pane is the ability to rearrange the order of slides in your presentation. Simply click and drag a slide thumbnail to a new position in the pane, and the slide will be moved to that position in the presentation. This can be especially helpful if you need to make last-minute changes to the order of your slides.

Additionally, the Navigation Pane can be used to quickly navigate to specific sections of your presentation. If you have divided your presentation into sections, you can expand the section headings in the Navigation Pane to see the slides within each section. This allows you to easily jump to a specific section or slide without having to scroll through the entire presentation.

Searching for Text within a Presentation

If you need to search for a specific piece of text within a presentation, you can use PowerPoint’s built-in Find feature. To access this feature, simply click “Home” on the ribbon, then click “Find” in the “Editing” group. This will open the Find pane, where you can type in the text you’re looking for and search the entire presentation for matches. You can also use the “Replace” feature to replace one piece of text with another throughout the entire presentation.

It’s important to note that the Find feature is not case-sensitive, so it will find matches regardless of whether the text is capitalized or not. Additionally, you can use the “Options” button in the Find pane to specify additional search criteria, such as searching for whole words only or matching the case of the text. This can help you narrow down your search results and find the exact piece of text you’re looking for more quickly and efficiently.

Searching for Specific Objects or Media

If you’re looking for a specific object or piece of media within a presentation, such as an image or a video, you can use PowerPoint’s Selection Pane. To access this feature, click “Home” on the ribbon, then click “Select” in the “Editing” group, and choose “Selection Pane” from the dropdown menu. This will open a pane on the right side of the screen that shows a list of all objects and media within the presentation. You can then use the search bar at the top of the pane to search for specific objects or media by name or content.

Additionally, you can also use the “Find” feature in PowerPoint to search for specific text within your presentation. To do this, click “Home” on the ribbon, then click “Find” in the “Editing” group. This will open a dialog box where you can enter the text you’re looking for. PowerPoint will then highlight all instances of that text within your presentation, making it easy to find and edit.

Advanced Search Options in PowerPoint

If you need to perform more advanced searches within a presentation, PowerPoint includes a number of advanced search options. To access these options, click “Home” on the ribbon, then click “Find” in the “Editing” group, and choose “Advanced Find” from the dropdown menu. This will open the Advanced Find dialog box, where you can specify a wide range of search criteria, including font styles, slide layouts, and more. You can also use wildcard characters and search across multiple presentations at once.

One of the most useful features of the Advanced Find dialog box is the ability to search for specific text within speaker notes. This can be especially helpful if you need to locate a specific piece of information that was included in the notes section of a slide. Additionally, you can save your search criteria as a custom search, which can be accessed and reused at any time. This can save you time and effort if you frequently need to search for specific types of content within your presentations.

How to Save and Reuse Your PowerPoint Searches

If you frequently search for specific information within PowerPoint presentations, you can save your searches for future use. To do this, simply perform your search as usual, then click “File” on the ribbon and choose “Save Search” from the dropdown menu. You can then give your search a name and save it for later use. To access your saved searches, click “File” on the ribbon and choose “Open Saved Searches” from the dropdown menu.

Saving and reusing your PowerPoint searches can save you a lot of time and effort, especially if you frequently work with large presentations. Additionally, you can also share your saved searches with others by sending them the file or by saving it to a shared network drive. This can be particularly useful for team collaborations or when working on group projects.

Tips and Tricks for Efficiently Searching in PowerPoint

When searching in PowerPoint, there are a number of tips and tricks you can use to be more efficient. For example, you can use keyboard shortcuts such as “Ctrl+F” to open the Find feature quickly, or “Shift+F5” to return to the last slide you viewed. You can also use bookmarks to mark important slides for quick reference, or use the built-in “Recent Searches” feature to quickly repeat a recent search.

Another useful tip for efficient searching in PowerPoint is to use the “Replace” feature. This allows you to not only find specific text, but also replace it with new text. This can be especially helpful when making global changes to a presentation. Additionally, you can use the “Advanced Find” feature to search for specific formatting, such as font size or color, or to search for specific types of objects, such as images or charts. By utilizing these various search features, you can save time and easily navigate through your PowerPoint presentations.

Common Search Errors and How to Fix Them

When searching in PowerPoint, you may encounter a number of common errors that can prevent you from finding the information you need. For example, PowerPoint may not find a match if the text is hidden, or if it’s located in a comment or speaker note. To fix these errors, you can try using the “Expand All” feature to show all hidden text, or use the “Find Next” option to search for text within comments and speaker notes.

Another common search error in PowerPoint is when the search function is set to search only within the current slide, but the text you are looking for is on a different slide. To fix this error, you can change the search scope to search within the entire presentation. Additionally, if you are searching for a specific phrase or word, make sure to enclose it in quotation marks to ensure that PowerPoint searches for the exact phrase or word.

Best Practices for Organizing Your PowerPoint Slides to Optimize Search Results

To make it easier to search for information within your PowerPoint presentations, it’s important to organize your slides in a logical and consistent manner. This means using descriptive slide titles, organizing your slides into sections or chapters, and using consistent formatting throughout your presentation. You can also use hyperlinking to create links between related slides, or use the “Export” feature to create a separate table of contents for your presentation.

Using Third-Party Tools to Enhance Your PowerPoint Search Experience

If you need even more advanced search capabilities within PowerPoint, you may want to consider using third-party tools or add-ins. There are a number of tools available that can help you search for specific pieces of information within your presentations, or even search across multiple presentations at once. Overall, PowerPoint’s search and find feature is an incredibly powerful tool that can help you quickly locate the information you need within your presentations. By using the advanced search options, organizing your slides effectively, and using tips and tricks to increase your efficiency, you can make the most of this feature to streamline your PowerPoint workflow and create more effective presentations.

How to Improve Your Presentation Workflow with Effective Search Techniques

If you’re looking to improve your overall presentation workflow, effective search techniques are a key component to consider. By mastering the various search features within PowerPoint, you can quickly and easily locate the information you need, whether you’re creating a new presentation or updating an existing one. This can help you save time and increase your productivity, allowing you to focus on creating engaging and effective presentations that resonate with your audience.

Understanding the Limitations of PowerPoint’s Search Functions

While PowerPoint’s search functions are incredibly powerful, it’s important to note that they do have some limitations. For example, PowerPoint may not be able to search for certain types of content, such as embedded videos or animations. Additionally, PowerPoint may not be able to search for information within certain types of objects, such as SmartArt graphics or charts. To work around these limitations, you may need to use alternative search methods, such as manually reviewing each slide or using a third-party tool to search for specific types of content.

Troubleshooting Common Issues with PowerPoint’s Search Functionality

Finally, if you encounter any issues with PowerPoint’s search functionality, there are a number of common troubleshooting steps you can try. For example, you can try clearing your search history, resetting your search settings, or repairing your PowerPoint installation if necessary. How to Create and Deliver a Research Presentation

Cover for Research Presentation Guide

Every research endeavor ends up with the communication of its findings. Graduate-level research culminates in a thesis defense , while many academic and scientific disciplines are published in peer-reviewed journals. In a business context, PowerPoint research presentation is the default format for reporting the findings to stakeholders.

Condensing months of work into a few slides can prove to be challenging. It requires particular skills to create and deliver a research presentation that promotes informed decisions and drives long-term projects forward.

What is a Research Presentation

Key slides for creating a research presentation, tips when delivering a research presentation, how to present sources in a research presentation, recommended templates to create a research presentation.

A research presentation is the communication of research findings, typically delivered to an audience of peers, colleagues, students, or professionals. In the academe, it is meant to showcase the importance of the research paper , state the findings and the analysis of those findings, and seek feedback that could further the research.

The presentation of research becomes even more critical in the business world as the insights derived from it are the basis of strategic decisions of organizations. Information from this type of report can aid companies in maximizing the sales and profit of their business. Major projects such as research and development (R&D) in a new field, the launch of a new product or service, or even corporate social responsibility (CSR) initiatives will require the presentation of research findings to prove their feasibility.

Market research and technical research are examples of business-type research presentations you will commonly encounter.

In this article, we’ve compiled all the essential tips, including some examples and templates, to get you started with creating and delivering a stellar research presentation tailored specifically for the business context.

Various research suggests that the average attention span of adults during presentations is around 20 minutes, with a notable drop in an engagement at the 10-minute mark . Beyond that, you might see your audience doing other things.

How can you avoid such a mistake? The answer lies in the adage “keep it simple, stupid” or KISS. We don’t mean dumbing down your content but rather presenting it in a way that is easily digestible and accessible to your audience. One way you can do this is by organizing your research presentation using a clear structure.

Here are the slides you should prioritize when creating your research presentation PowerPoint.

1.  Title Page

The title page is the first thing your audience will see during your presentation, so put extra effort into it to make an impression. Of course, writing presentation titles and title pages will vary depending on the type of presentation you are to deliver. In the case of a research presentation, you want a formal and academic-sounding one. It should include:

  • The full title of the report
  • The date of the report
  • The name of the researchers or department in charge of the report
  • The name of the organization for which the presentation is intended

When writing the title of your research presentation, it should reflect the topic and objective of the report. Focus only on the subject and avoid adding redundant phrases like “A research on” or “A study on.” However, you may use phrases like “Market Analysis” or “Feasibility Study” because they help identify the purpose of the presentation. Doing so also serves a long-term purpose for the filing and later retrieving of the document.

Here’s a sample title page for a hypothetical market research presentation from Gillette .

2. Executive Summary Slide

The executive summary marks the beginning of the body of the presentation, briefly summarizing the key discussion points of the research. Specifically, the summary may state the following:

  • The purpose of the investigation and its significance within the organization’s goals
  • The methods used for the investigation
  • The major findings of the investigation
  • The conclusions and recommendations after the investigation

Although the executive summary encompasses the entry of the research presentation, it should not dive into all the details of the work on which the findings, conclusions, and recommendations were based. Creating the executive summary requires a focus on clarity and brevity, especially when translating it to a PowerPoint document where space is limited.

Each point should be presented in a clear and visually engaging manner to capture the audience’s attention and set the stage for the rest of the presentation. Use visuals, bullet points, and minimal text to convey information efficiently.

3. Introduction/ Project Description Slides

In this section, your goal is to provide your audience with the information that will help them understand the details of the presentation. Provide a detailed description of the project, including its goals, objectives, scope, and methods for gathering and analyzing data.

You want to answer these fundamental questions:

  • What specific questions are you trying to answer, problems you aim to solve, or opportunities you seek to explore?
  • Why is this project important, and what prompted it?
  • What are the boundaries of your research or initiative?
  • How were the data gathered?

Important: The introduction should exclude specific findings, conclusions, and recommendations.

4. Data Presentation and Analyses Slides

This is the longest section of a research presentation, as you’ll present the data you’ve gathered and provide a thorough analysis of that data to draw meaningful conclusions. The format and components of this section can vary widely, tailored to the specific nature of your research.

For example, if you are doing market research, you may include the market potential estimate, competitor analysis, and pricing analysis. These elements will help your organization determine the actual viability of a market opportunity.

Visual aids like charts, graphs, tables, and diagrams are potent tools to convey your key findings effectively. These materials may be numbered and sequenced (Figure 1, Figure 2, and so forth), accompanied by text to make sense of the insights.

5. Conclusions

The conclusion of a research presentation is where you pull together the ideas derived from your data presentation and analyses in light of the purpose of the research. For example, if the objective is to assess the market of a new product, the conclusion should determine the requirements of the market in question and tell whether there is a product-market fit.

Designing your conclusion slide should be straightforward and focused on conveying the key takeaways from your research. Keep the text concise and to the point. Present it in bullet points or numbered lists to make the content easily scannable.

6. Recommendations

The findings of your research might reveal elements that may not align with your initial vision or expectations. These deviations are addressed in the recommendations section of your presentation, which outlines the best course of action based on the result of the research.

What emerging markets should we target next? Do we need to rethink our pricing strategies? Which professionals should we hire for this special project? — these are some of the questions that may arise when coming up with this part of the research.

Recommendations may be combined with the conclusion, but presenting them separately to reinforce their urgency. In the end, the decision-makers in the organization or your clients will make the final call on whether to accept or decline the recommendations.

7. Questions Slide

Members of your audience are not involved in carrying out your research activity, which means there’s a lot they don’t know about its details. By offering an opportunity for questions, you can invite them to bridge that gap, seek clarification, and engage in a dialogue that enhances their understanding.

If your research is more business-oriented, facilitating a question and answer after your presentation becomes imperative as it’s your final appeal to encourage buy-in for your recommendations.

A simple “Ask us anything” slide can indicate that you are ready to accept questions.

1. Focus on the Most Important Findings

The truth about presenting research findings is that your audience doesn’t need to know everything. Instead, they should receive a distilled, clear, and meaningful overview that focuses on the most critical aspects.

You will likely have to squeeze in the oral presentation of your research into a 10 to 20-minute presentation, so you have to make the most out of the time given to you. In the presentation, don’t soak in the less important elements like historical backgrounds. Decision-makers might even ask you to skip these portions and focus on sharing the findings.

2. Do Not Read Word-per-word

Reading word-for-word from your presentation slides intensifies the danger of losing your audience’s interest. Its effect can be detrimental, especially if the purpose of your research presentation is to gain approval from the audience. So, how can you avoid this mistake?

  • Make a conscious design decision to keep the text on your slides minimal. Your slides should serve as visual cues to guide your presentation.
  • Structure your presentation as a narrative or story. Stories are more engaging and memorable than dry, factual information.
  • Prepare speaker notes with the key points of your research. Glance at it when needed.
  • Engage with the audience by maintaining eye contact and asking rhetorical questions.

3. Don’t Go Without Handouts

Handouts are paper copies of your presentation slides that you distribute to your audience. They typically contain the summary of your key points, but they may also provide supplementary information supporting data presented through tables and graphs.

The purpose of distributing presentation handouts is to easily retain the key points you presented as they become good references in the future. Distributing handouts in advance allows your audience to review the material and come prepared with questions or points for discussion during the presentation.

4. Actively Listen

An equally important skill that a presenter must possess aside from speaking is the ability to listen. We are not just talking about listening to what the audience is saying but also considering their reactions and nonverbal cues. If you sense disinterest or confusion, you can adapt your approach on the fly to re-engage them.

For example, if some members of your audience are exchanging glances, they may be skeptical of the research findings you are presenting. This is the best time to reassure them of the validity of your data and provide a concise overview of how it came to be. You may also encourage them to seek clarification.

5. Be Confident

Anxiety can strike before a presentation – it’s a common reaction whenever someone has to speak in front of others. If you can’t eliminate your stress, try to manage it.

People hate public speaking not because they simply hate it. Most of the time, it arises from one’s belief in themselves. You don’t have to take our word for it. Take Maslow’s theory that says a threat to one’s self-esteem is a source of distress among an individual.

Now, how can you master this feeling? You’ve spent a lot of time on your research, so there is no question about your topic knowledge. Perhaps you just need to rehearse your research presentation. If you know what you will say and how to say it, you will gain confidence in presenting your work.

All sources you use in creating your research presentation should be given proper credit. The APA Style is the most widely used citation style in formal research.

In-text citation

Add references within the text of your presentation slide by giving the author’s last name, year of publication, and page number (if applicable) in parentheses after direct quotations or paraphrased materials. As in:

The alarming rate at which global temperatures rise directly impacts biodiversity (Smith, 2020, p. 27).

If the author’s name and year of publication are mentioned in the text, add only the page number in parentheses after the quotations or paraphrased materials. As in:

According to Smith (2020), the alarming rate at which global temperatures rise directly impacts biodiversity (p. 27).

Image citation

All images from the web, including photos, graphs, and tables, used in your slides should be credited using the format below.

Creator’s Last Name, First Name. “Title of Image.” Website Name, Day Mo. Year, URL. Accessed Day Mo. Year.

Work cited page

A work cited page or reference list should follow after the last slide of your presentation. The list should be alphabetized by the author’s last name and initials followed by the year of publication, the title of the book or article, the place of publication, and the publisher. As in:

Smith, J. A. (2020). Climate Change and Biodiversity: A Comprehensive Study. New York, NY: ABC Publications.

When citing a document from a website, add the source URL after the title of the book or article instead of the place of publication and the publisher. As in:

The beginner's guide to google slides.

Want to learn the basics about Google Slides? This beginner's guide walks you through everything from importing your PowerPoint files to sharing presentations online.

Quick Links

What is google slides, how to sign up for an account, how to create a blank presentation, how to import a microsoft powerpoint presentation, how to check your spelling in google slides, how to collaborate on presentations, how to see all recent changes to a presentation, how to link to a specific slide, how to insert special characters into a slide, how to use google slides offline.

If you’re just getting started with Google Slides, its extensive features and add-ons can be a little overwhelming. Here are some tips to help you get going with this powerful alternative to Microsoft PowerPoint.

If you’ve heard of Google Slides before, feel free to skip ahead; if you haven't, here’s a crash course on what you need to know. We’ll go over the basics and get you brushed up on what Google Slides is and how you can get started right away.

Slides is a free, web-based presentation program designed to compete with Microsoft Office PowerPoint. It's part of G Suite---Google's complete office suite (though some people refer to it all as Google Docs). The other main services included in the cloud-based suite are Sheets (Excel) and Docs (Word).

Related: What is Google Workspace, Anyway?

Google Slides is available on all devices and platforms; all you need is an internet connection and a web browser (or, in the case of mobile, the Android and iOS apps ). Google does the rest and handles the brunt of the heavy lifting, while it runs the software in the cloud.

Slides supports several file types, including  .ppt, .pptx , .odp, .jpg, .svg, and .pdf. This makes it easy to view or convert Microsoft Office files directly from Google Drive or insert images directly into a slide.

Related: What Is a PPTX File (and How Do I Open One)?

And since Slides is an online presentation program, you can share and collaborate with multiple people on the same file, and track revisions, changes, and suggestions, all in real-time.

Have you heard enough? Let’s get started.

Before you can use Google Slides, you have to sign up for a Google account (an @gmail account). If you already have one, feel free to move on to the next section. If not, we’ll go over the simplest way to create a Google account and get you set up with Slides.

Head over to  accounts.google.com , click "Create Account," and then click "For Myself."

On the next page, you provide some information---first and last name, username, and password---to create your account.

Also, you have to verify your phone number, so Google can make sure you’re not a bot.

After you verify your phone number, the subsequent pages require you to provide a recovery email address and your date of birth and gender. You must also agree to the privacy statement and terms of service. After that, you’re the proud new owner of a Google account.

Now that you have a Google account, it’s time to create your first presentation. Head over to  Google Slides  and place the cursor on the multicolored "+" icon in the bottom-right corner.

The + turns into a black pencil icon; click it.

Pro Tip: Type

into the address bar from any browser and hit Enter to automatically create and open a new blank document.

Even if you’re new to Google Slides, you might already have a collection of Microsoft PowerPoint files you’d like to be able to use. If that’s the case, then you have to  upload all your presentations  before you can view them. While it might not support some of the more advanced features and effects of some PowerPoint presentations, it works pretty well.

When you import a PowerPoint presentation, you can use either Google Slides or  Drive  to upload your files. Both methods let you drag and drop a file from your computer directly into the web browser for easy uploads. Your Drive houses all of your uploaded files, but---for the sake of convenience---when you go to the Slides homepage, it only shows you presentation-type files.

From the Slides homepage, click the folder icon in the top right, and then click the "Upload" tab. Now, drag and drop any files you want to upload directly into this window.

Once the file uploads, Slides opens it automatically, and it's ready for you to edit, share, or collaborate.

To open a PowerPoint presentation that you want to edit, click the filename with the "P" next to it from your Google Slides homepage.

Click to either view the PowerPoint file or edit it in Slides.

After you’ve finished editing your file, you can download and export your presentation back into a Microsoft PowerPoint format. Just go to File > Download As, and then click the "Microsoft PowerPoint" option.

If you’d rather download your presentation as a PDF, ODP, JPEG, TXT, etc., you can do that here, as well.

Now that you have a few presentations, it’s time to make sure your  spelling and grammar are correct . Slides is equipped with a spellchecker. If you misspell something, it underlines the error with a squiggly line and prompts you to make a change.

This should be on by default, but you can make sure in Tools > Spelling > Underline Errors.

To see spelling corrections and suggestions, right-click the word with the line underneath. Alternatively, press Ctrl+Alt+X (Windows) or Command+Alt+X (Mac) to open the Spell Check and Grammar tool.

Along with a spellchecker, Google Slides comes loaded with a built-in dictionary and thesaurus. To use them, highlight a word, right-click it, and then click "Define [word]."

While this should get you started, we have  a deeper dive into Google’s spelling and grammar checker  if you want more info.

One of the best features of Google Slides is its ability to  generate a shareable link.  Anyone you share the link with can view, suggest edits to, or directly edit the presentation. This eliminates the hassle of sending a file back and forth between collaborators. Each person has her own text entry cursor to use on her computer.

To do this, click the orange "Share" button in the file you want to share. Next, choose how and with whom you want to send a link to the file. You can type email addresses or click "Get Shareable Link" in the top corner to hand out the invitation yourself.

From the drop-down menu, you can select one of these options for what other users can do:

  • Off:  Sharing is disabled. If you’ve previously shared a link with others, it will no longer work and revokes any permissions they once had.
  • Anyone with the link can edit:  Gives the shared users full read/write access. They still can’t delete it from your Drive, though---this is just for the contents of the file.
  • Anyone with the link can comment:  Allows shared users to leave comments which is handy for team projects.
  • Anyone with the link can view : Shared users can view the file, but can’t edit it in any way. This is the default action when you share a file, and it's the best option if you’re trying to share a file for download.

You can do a lot more with these shareable links, as they also work with other Drive files and on mobile. For a deeper look at how links work and how to generate them,  check out our post .

When you share documents with others, it’s difficult to keep track of all the small changes that happen if you’re not present. For that, there’s  revision history . Google keeps track of all the changes that occur in a document and groups them into periods to reduce clutter. You can even revert a file to any of the previous versions listed in the history with a click of your mouse.

You can view a list of all recent changes by clicking File > Version History > See Version History. Alternatively, you can press Ctrl+Alt+Shift+H (Command+Option+Shift+H on Mac).

You can also share a link to a specific slide in your presentation with a friend or coworker, without having to mention which one you're referencing. When someone clicks the link and the presentation loads, it jumps directly to the slide you're referencing. You do have to enable file sharing before you can link to a specific slide in your presentation, though.

Because each slide has a unique URL, all you have to do to link to one is click it in the left pane, and then copy the URL from the address bar.

Google Slides also has a character insertion tool. This allows you to insert special characters into your presentation without having to remember any Alt-codes. There are tons of symbols, characters, languages, and so much more. So, whether you want an arrow, different language scripts, or if you just want a few silly emojis to spruce up your presentation, Google Slides makes it easy to include them.

To open the character insertion tool, click "Insert," and then click "Special Characters."

From here, you can manually search for specific characters with the drop-down menus.

Use the search bar to find a specific character or emoji.

You can also use your drawing skills to search.

What happens if you need to access Google Slides but don’t have an internet connection? Although Slides is a web-based product, that  doesn’t mean you can’t use it offline . Any changes you make to the file offline will update the next time you connect to the internet. First, download the extension for Chrome.

To enable a presentation for offline use, go to the Google Slides’ homepage and, in the top-left corner, click the Hamburger menu > Settings. Once here, toggle "Offline" to the On position, and then click "OK."

To save storage space on your local machine, Google only downloads and makes the most recently accessed files available offline. To manually enable a file, click the three dots icon, and then toggle "Available Offline" to On.

5 Steps to Preparing an Engaging Industry Presentation You can make a great impression and generate interest with an exciting, informative presentation. Find out my five secrets to creating an industry presentation guaranteed to wow.

By Cyrus Claffey Edited by Chelsea Brown May 28, 2024

Key Takeaways

  • This article offers practical advice for delivering impactful presentations at industry events, emphasizing the importance of a comfortable stage presence, understanding your audience, designing effective slides and more.

Opinions expressed by Entrepreneur contributors are their own.

Industry events are a chance to network with your colleagues and impress distributors — but to really make the most of your time at a conference, you need to learn how to prepare a presentation that engages, informs and leaves an impact.

I've presented at some of the most important real estate and property technology events in the country as the founder of ButterflyMX . Here are a few tricks I've picked up along the way to wow any audience.

Related: 6 Tips for Making a Winning Business Presentation

1. Getting comfortable with the stage

I recommend taking a walk around the stage before your presentation. By familiarizing yourself with your environment, you can prepare yourself better.

And while you're on stage, a relaxed, comfortable presence goes a long way in keeping your audience engaged . Whether you want to play your presentation casually or more formally, audiences can sense discomfort, which prevents them from fully connecting with your message.

To project your sense of comfortability, focus on your body language . You can project confidence by speaking slowly and clearly and by walking across the stage to keep the audience's attention — even if there's already a podium or lectern set up on stage.

Unfortunately, if a speaker spends too long standing behind the podium, an audience might interpret that as a sign of indecision and inaction from the speaker. Instead, you can remove any barriers between yourself and the audience by using the whole length of the stage.

2. Familiarity with industry statistics

An audience that doesn't know me might be wondering why they should be taking my advice. I certainly don't blame them. When I'm watching a new presenter, I ask the same question.

If you can back up your claims with hard data, your presentation will ring true with listeners. You can cite industry-wide statistics or establish your own bona fides by citing stats that buttress your own credibility by establishing your company's success.

In my case, I'm happy to use a couple of statistics that prove how successful my company, ButterflyMX, is in the proptech industry. For instance, we serve more than one million apartment units, and if you're interested in how consumers feel about us, look no further than the internet — we have over 20,000 five-star reviews !

3. Knowing your audience

Depending on who your audience is , you'll have to adjust your game plan and prepare for different things.

I've spoken at conferences where the audiences couldn't be more different — a presentation that wows one crowd might have no information that's applicable to another. As the founder of a property technology company, I have the pleasure of speaking at a variety of different conferences that serve different markets.

For example, integrators and installers might value a talk on product features and hardware more than others. And if I'm presenting to an audience of property managers, I'll know to dial down the technical talk and focus on the benefits a robust video intercom offers, such as simplifying their day-to-day workloads.

Depending on your audience, you need to strike the right balance between talking about hardware specs and features.

4. Designing your slides carefully

Slides are a good opportunity to share the aesthetics, tone and values of your company — but you've got to make sure you use them effectively.

A slide with too much text looks busy, and it'll distract your audience and draw focus away from you. Instead, consider putting that information into your notes and speaking it aloud. Slides should focus on one or two visual elements, like bullet points, charts and graphs.

As for the actual design of your slides, you should ensure that you adhere to your company's brand guidelines. If you're unfamiliar with the concept, brand guidelines are a single, governing document that goes over important design concepts like the colors and logos that your company has.

5. Asking for audience participation

Asking for audience participation is the ultimate way to ensure everybody is locked in and paying attention — but it's also a double-edged sword. You also need to be prepared in case asking the audience to participate doesn't necessarily go your way.

For example, you might generally ask if an audience has any questions at the end of your presentation. But you run the risk of running into a hostile, bad-faith question — or you might even be met with silence.

That's why I'd recommend you give the audience questions and tasks that have a little more structure. You could do things like asking for a show of hands, asking for specific anecdotes or taking a poll.

Polls have gotten an especially high-tech upgrade recently — see if you can set up an electronic voting system that allows audience members to vote with their smartphones. Then, you'd be able to throw the results on screen and watch them update in real time!

You should pepper these interactive sections throughout your presentation to ensure that audiences are engaged throughout your entire talk.

Social Sharing

Premier Blaine Higgs says he will ban a Quebec-based sex education group from presenting at schools in New Brunswick after a presentation he believes was "clearly inappropriate."

The premier took to X, formerly Twitter, to express his displeasure with a presentation given at several New Brunswick high schools.

"To say I am furious would be a gross understatement," he said. "This presentation was not part of the New Brunswick curriculum and the content was not flagged for parents in advance.

"The fact that this was shared shows either improper vetting was done, the group misrepresented the content they would share ... or both."

Higgs said the Department of Education told his office the presentation was supposed to be about the sexually transmitted infection human papillomavirus – but it went beyond that.

A pink and purple presentation slide with four text bubbles.

He shared and criticized a presentation slide that includes questions like "do girls masturbate" and "is it good or bad to do anal?"

Teresa Norris, who delivered the presentation to several New Brunswick schools last week, denied that schools were misled about what the presentation would cover.

The president and founder of the charity HPV Global Action, which also operates a youth sexual education resource called Thirsty for the Talk, said she was surprised and disappointed at Higgs's reaction.

She said the slide Higgs shared was the presentation's cover slide. She said it reflects actual questions her group receives from students.

"That excerpt that was taken is an extraction of something that's very grossly misrepresenting what this presentation is about," Norris said.

A presentation slide that reads "4 out of 5 have had HPV at some point in their life," with cartoon people shaded in red and green.

"All of the topics that we cover are supporting the learning areas. This is something that your province has decided ... We're not creating something that the province hasn't already put in place."

Norris said she has been giving presentations at New Brunswick schools for several years. All schools receive an outline of the topics to be covered and the school must give its consent prior to the presentation, she said.

The presentation is called Healthy Relationships 101. Norris said it is an "A to Z" about relationships and sexuality.

"We are not promoting any of these sexual behaviours ... we talk about abstinence in the presentation, we empower students to help them make decisions about their relationships," she said.

A presentation slide about healthy relationships.

"We teach them to understand when they are not comfortable, or that they don't feel ready, and to pay attention so that they have those boundaries. Our goal is always to destigmatize conversations about sexual health."

Objectives in the province's high school sex education curriculum include having students define sexuality, discuss safe sex practices that include abstinence, masturbation, condom use and birth control options, and how to handle sexual feelings and sexual pressure.

Andrea Anderson-Mason, MLA for Fundy-the Isles-Saint John West, said she has heard about the presentation from teachers and constituents with family members who attend Fundy Middle-High School.

The Anglophone South School District has not responded to a request for comment.

Anderson-Mason said she has a daughter in Grade 12 at the school, but the presentation was only delivered to Grade 9 to Grade 11 students.

The MLA said reaction has been mixed and she is hoping to see a balanced conversation on the issue.

A person speaking to reporters.

"When I was in high school, I had a male teacher teach me about breast self-examination, and at 47 years old I am still grateful for that information and use it," she said. "There is a time and a place and an appropriateness to talk about our bodies."

For Norris, the ultimate goal is to help students stay informed and avoid getting into relationship situations they are not ready for.

Despite Higgs's statement, she has not been given any formal message from the province banning the presentation.

Requests to the premier's office for comment have not been answered.

How to Find the Best Presentation Template

How to Find the Best Presentation Template | Quick Tips & Tutorial for your presentations

We want to simplify the process of finding a creative presentation template that conveys all your innovative ideas and that, at the same time, tells a convincing story to your audience, 100% editable and free.  The best way of saving time and being true to your own discourse is to find a theme with a professional design that can be adapted to your project. Still, how to choose the most suitable one? In Slidesgo we have hundreds of Google Slides themes and PowerPoint templates , and now we have added new ways of helping you find the perfect one to best suit your needs.

Finding Templates by Color

Sorting templates by style.

On the homepage you will find interesting collections from our template catalogue. We have now incorporated Recommendations for you . It is a carousel that contains a collection of templates we have chosen based on your interests and previous downloads.

In addition, you will also discover a selection of the latest themes , so you can give our new and fresh designs a try, and the most popular templates among our users. The last section contains very attractive and polivalent infographics that you could adapt to any need.

At the bottom of the page there is a selection of the most consulted tags . Click on any of these tags to see the templates.

If you select a color from the drop-down menu, a new page will open where all the templates that have that tone will appear. In addition, you will find a brief description of the color, its use, and its psychology, so that you choose the color that best fits your presentation.

This section contains those templates that have been designed with different color palettes and whose chromatic variant coincides with the color you are looking for. In addition, you can also filter by style, license and format. Let’s try clicking on the color blue:

Choosing the right colors is a very important decision for your presentation, because it can make your public either love it or be bored with it. If you want to learn more about it, check this post in our blog: How to choose the best colors for your presentation.

Another option is sorting by Style . Thanks to this feature you can filter depending on the creative tendency and focus you want to convey:

  • Cartoon: these are themes with cartoon illustrations that have a funny taste.
  • Creative: these templates have been designed according to the latest tendencies. If you are looking for something innovative, this is your style.
  • Cute: this section contains adorable designs, but adding cute elements to provide your message with sensitivity.
  • Dark: dark colors are predominant in this sort of slides in order to create a great contrast and to highlight your message
  • Elegant: they are ideal for presentations with a sophisticated aspect. These templates have a great range of graphic resources.
  • Funny: no one will get bored of these presentation templates. Thanks to them you will offer an unforgettable experience.
  • Futuristic: these are perfect for avant-garde and modern issues. They are widely used for technological purposes, as well as for topics as video games or fashion.
  • Minimalist: these correspond with professional designs which are simple and clear. They use mainly neutral colors
  • Simple: these templates have a clear and direct composition, without adding distraction elements that could divert your audience’s attention.
  • Vintage: those are high-impact presentations that include elements with an “old” note. They are ideal for design, decoration or historical themes.

In Slidesgo we design templates that you can easily adapt to any topic of project. However, to group our contents in a clear way we have divided our template catalog into a series of main categories. Each one corresponds with different professional arenas in which using presentation is something pretty common: Education, Business, Marketing, Medical, Multi-Purpose and Infographics. This last category includes templates that help you represent data, processes and information in an easy and understandable way. Within each section, you find a carousel with different presentation collections that could be suitable for your projects, together with their structure of contents. For example, in Education there are templates for Lessons and Workshops (both are ideal for teachers), Thesis defenses (very useful for graduate and undergraduate students) or School (including slides for introducing academic centers or “back to school” packs.)

Last but not least, we have incorporated filters in each landing page so that you can choose color, style and format. This way, you will be able to spot which are the most suitable templates for your corporate identity or the message you want to transmit in a quick and easy way. In addition, you can also filter by license.

As you choose different filters, you will only see templates that match your search. For example, you can filter only Funny, Blue and Free templates in one search.

Now you know how easy it is to find your free Google Slides and PowerPoint template for your project in Slidesgo. Download and edit the one  that best fits your needs now!
