How to Add the Right Details to Your Principal Cover Letter

Salesperson pops out of computer screen to depict outselling the competition with sales cover letter

Think of your principal cover letter like you’re designing a curriculum plan based on specific student needs. You would likely review relevant information to ensure you add the right aspects, like group projects or individualized learning opportunities.

You can take a similar approach to your cover letter. Start by reviewing each principal job description to determine the school’s mission and most essential needs. Then, write a custom cover letter for each job detailing aspects like how you deploy effective staff development systems to achieve the best student experience.

Optimize the opening of your principal cover letter

Schools receive many applications that hiring teams must review, so it’ll be important to grab attention immediately in your cover letter. A good way to start is to greet a specific hiring manager by name, which can often be found in the job description or on the school’s website. It has the same effect as building student connections by learning their names.

As you get into the opening paragraph, consider how you connect with the school’s mission and where your abilities fit in. For instance, you could explain how you’ll use your professional skills in e-learning systems to help a school develop a modern tech-driven learning experience.

The opener below could use some work since it doesn’t get into specific details about the skills this principal applicant brings or their connection to the school’s mission.

Feels a bit too bland!

I’m eager to be applying to your principal job opening. With years of experience in the educational system, I’d be excited to use my diverse skill set as part of your team.

The opener below does a much better job sharing the applicant’s passion for community-oriented service and their ethical education skills that will stand out.

A great opener connected to the school’s mission!

Dear Mr. Hall,

Knowing about Heritage Hall School’s impressive commitment to holistic education and community-oriented service reminded me why I’m eager to be your school principal. As a believer in ethical education, I’m confident I can lead your school to nurture well-being, empower students, and offer a remarkable educational experience.

Share the right details about your educational skill set in your cover letter’s body

As an educational leader, you know that schools use a lot of data to provide a great learning experience.

You can use that knowledge to your advantage in the body of your cover letter by sharing your achievements in previous roles, such as how you implemented a project-based learning system that boosted material retention and test scores by 39%.

If you don’t have much work experience , you could also include details about your achievements while obtaining your educational leadership degree or working as a teacher.

A stellar body paragraph with educational metrics!

As head of operations at Crooked Oak High School, I cultivated proficiency in data analysis, using Tableau to extract and interpret divergent data forms. Through comprehensive reports, we increased graduation rates by 11% within three years.

Leave an impact with the closing of your principal cover letter

As you close your principal cover letter, consider how you can rephrase your top skills and connection to the school’s mission to leave a lasting impact. For example, you could write about how you’re excited to use your ethical learning skills in an organization that wants to foster an empowering student environment.

Then, thank the school’s hiring manager for their time and use a call to action, such as “I’m eager to discuss with you further how I can make an impact for you as a principal.” It’s similar to how you may end a school board meeting after proposing a new educational program you want to implement.

The closer below is a decent start. However, you’ll notice it lacks some essential details about the principal applicant’s skills or their connection to the school.

This one’s lacking some key details!

Thank you for considering me for your principal role. I’m eager to discuss in more detail how my skills fit your needs.

Beth Marchand

The example below does a better job of showcasing the applicant’s passion for the educational system and how they want to use their skills to create a dynamic learning environment.

An excellent closer aligned with the school’s mission!

At Roland Park Country School, I aim to bring an intuitive understanding of how the functioning gears of an educational institution turn. The versatility and efficiency developed from broad-based experiences put me in a strong position to hit the ground running as a school administrative assistant. Thanks for considering my application, and I can’t wait to dive into how I can promote a dynamic learning environment I’d have loved as a student.

Hugo Fernandes

You should add custom details to each principal cover letter you submit. It’ll help you stand out for varying needs, such as one school deploying a holistic learning system and another specializing in group-based learning.

One page is the right length for principal cover letters. Keep it brief and relevant to each school’s needs, such as your knowledge of early-age curriculum development when applying to an elementary school.

Every school has a slightly different culture and learning environment they want to create. Therefore, a great strategy is to try to match the tone they use in the job description to show how you’ll fit in with their educational needs.

10 Tips for Writing a School Principal Cover Letter to Impress the Reader

10 tips for writing a school principal cover letter to impress the reader

Writing a school principal cover letter, which is frequently called an application letter, will be easier if you follow these writing strategies. Making an excellent impression to land an educational leadership job interview for this highly competitive position should be one of your top priorities.

The school principal’s office is the highest rank in a school, and the recruitment process for this post demands the highest scrutiny by the school district.

District education recruitment officers and administrators take the necessary hiring steps to interview and hire a competent and hardworking person who possesses the vision and commitment to improving the school’s standards.

Communicating your value is critical to securing a job interview and, ultimately, a school administrator job offer. Showcasing your educational leadership skills will be critical to success.

We’ve compiled top cover letter writing tips to target a school principal role. These strategies will help whether you are seeking a first-time leadership role or if you wish to apply for a lateral position at a new school district.

School Principal Cover Letter Writing Advice

1) don’t rehash your school principal resume.

This is perhaps the biggest mistake that principals and other education professionals make when writing a cover letter. Cover letters are supposed to serve as a complement to your resume, describing your core competencies and passion for the job, not a mini resume. Although, you may repeat a few things, such as your degree and relevant certifications.

Instead of repeating similar information across multiple documents, pull a couple of relevant accomplishments in your most relevant role and describe them in a little more detail.

Add in specific facts if you can quantify your achievements and make it easier for the reader to understand your leadership accomplishments’ in detail.

2)  Be Brief

Don’t bore your reader with too much information and clichés.  An experienced hiring manager can take one minute (or less!) to review a cover letter, so you have to put on your creative cap to summarize all the interviewer’s needs in short, succinct sentences.

If you keep your school principal cover letter to three paragraphs in a one-page document, you’ll get your point across without going into too much detail for the occasion.

3)  Start Off the Right Way

Make sure you use the correct cover letter format that shows your professionalism. Stick to the format from the outset to keep it consistent to the end of the cover letter. Be sure to express your interest in the position and discuss some key educational leadership accomplishments that will entice the reader to want to learn more. Close the letter by showing your interest in learning more about the position by meeting in person for a conversation.

4)  State Only the Relevant and Recent Facts

Since you have limited space, make a list of your best attributes to help the school administration achieve their goal and use only 2-3 of those in your cover letter.

Pick your best points as a former principal, a vice-principal, or a teacher when describing your past in brief. Know the school, its students, and its community. The best, most relevant experiences from your career at one school may differ from those that would be most relevant at another.

5)  Avoid Using Jargon or Slang

Professional and readable cover letters will get noticed.  Use key phrases similar to that in the posting, but don’t copy word for work. Let the reader understand your story, rather than simply seeing a string of buzzwords.

Similarly, a professional cover letter calls for professional language. Double-check to verify that your writing is held to the same standards as your conversation in a professional setting. Incorporating the right keywords in your resume and cover letter is vital to move your job application to the human eye.

6) Be Specific and Write Authoritatively

In your cover letter, state exactly what you intend to do and how you plan to accomplish your goals. You know yourself the best, which should allow you to write with conviction. Communicate your career accomplishments and the strong self-knowledge of the kind of educational leader ready to step into a principal’s chair.

7)  Close With Your Details

Express your interest in an interview at the institution’s convenience. Remind the reader you have attached your resume and other required documents, and sign your name. If you apply online, you can use an electronic signature.

8)  Make It Marketable

Put in as much effort as possible; remember, your cover letter is supposed to speak for you in your absence. Write what you would have said if you were asked verbally. Above all, you want a cover letter to tell your story and will indicate how the principal position you are applying for is the next logical step in your career progression.

9) Read the Cover Letter Out Loud

Proofreading is crucial and can turn out to haunt you if you don’t spend a few minutes checking your spelling and grammar. Try to go over every single word, phrase, and sentence over and over to make sure they are perfect. If you can, be sure to read your letter out loud to a person you trust. They’ll be able to help you determine if the message flows logically, smoothly, and concisely. They might even be able to make some suggestions on ways to improve it.

10)  Get a Proofreader

Enlist the help of another pair of eyes is ideal for spotting those grammar and spelling mistakes you might have overlooked. They’ll be able to tell you if there are sentences that are hard to read, and if they know you well, they can make sure that you are selling yourself to the fullest possible extent.

By following these tips and tricks, you’ll be well on your way to crafting your school principal cover letter that communicates what makes you the best candidate for the educational leadership job.

What's The Best Structure For Principal Cover Letters?

After creating an impressive Principal resume , the next step is crafting a compelling cover letter to accompany your job applications. It's essential to remember that your cover letter should maintain a formal tone and follow a recommended structure. But what exactly does this structure entail, and what key elements should be included in a Principal cover letter? Let's explore the guidelines and components that will make your cover letter stand out.

Key Components For Principal Cover Letters:

  • Your contact information, including the date of writing
  • The recipient's details, such as the company's name and the name of the addressee
  • A professional greeting or salutation, like "Dear Mr. Levi,"
  • An attention-grabbing opening statement to captivate the reader's interest
  • A concise paragraph explaining why you are an excellent fit for the role
  • Another paragraph highlighting why the position aligns with your career goals and aspirations
  • A closing statement that reinforces your enthusiasm and suitability for the role
  • A complimentary closing, such as "Regards" or "Sincerely," followed by your name
  • An optional postscript (P.S.) to add a brief, impactful note or mention any additional relevant information.

Cover Letter Header

A header in a cover letter should typically include the following information:

  • Your Full Name: Begin with your first and last name, written in a clear and legible format.
  • Contact Information: Include your phone number, email address, and optionally, your mailing address. Providing multiple methods of contact ensures that the hiring manager can reach you easily.
  • Date: Add the date on which you are writing the cover letter. This helps establish the timeline of your application.

It's important to place the header at the top of the cover letter, aligning it to the left or center of the page. This ensures that the reader can quickly identify your contact details and know when the cover letter was written.

Cover Letter Greeting / Salutation

A greeting in a cover letter should contain the following elements:

  • Personalized Salutation: Address the hiring manager or the specific recipient of the cover letter by their name. If the name is not mentioned in the job posting or you are unsure about the recipient's name, it's acceptable to use a general salutation such as "Dear Hiring Manager" or "Dear [Company Name] Recruiting Team."
  • Professional Tone: Maintain a formal and respectful tone throughout the greeting. Avoid using overly casual language or informal expressions.
  • Correct Spelling and Title: Double-check the spelling of the recipient's name and ensure that you use the appropriate title (e.g., Mr., Ms., Dr., or Professor) if applicable. This shows attention to detail and professionalism.

For example, a suitable greeting could be "Dear Ms. Johnson," or "Dear Hiring Manager," depending on the information available. It's important to tailor the greeting to the specific recipient to create a personalized and professional tone for your cover letter.

Cover Letter Introduction

An introduction for a cover letter should capture the reader's attention and provide a brief overview of your background and interest in the position. Here's how an effective introduction should look:

  • Opening Statement: Start with a strong opening sentence that immediately grabs the reader's attention. Consider mentioning your enthusiasm for the job opportunity or any specific aspect of the company or organization that sparked your interest.
  • Brief Introduction: Provide a concise introduction of yourself and mention the specific position you are applying for. Include any relevant background information, such as your current role, educational background, or notable achievements that are directly related to the position.
  • Connection to the Company: Demonstrate your knowledge of the company or organization and establish a connection between your skills and experiences with their mission, values, or industry. Showcasing your understanding and alignment with their goals helps to emphasize your fit for the role.
  • Engaging Hook: Consider including a compelling sentence or two that highlights your unique selling points or key qualifications that make you stand out from other candidates. This can be a specific accomplishment, a relevant skill, or an experience that demonstrates your value as a potential employee.
  • Transition to the Body: Conclude the introduction by smoothly transitioning to the main body of the cover letter, where you will provide more detailed information about your qualifications, experiences, and how they align with the requirements of the position.

By following these guidelines, your cover letter introduction will make a strong first impression and set the stage for the rest of your application.

Cover Letter Body

A principal cover letter should typically include an introduction, a body, and a conclusion. In the introduction, the applicant should explain why they are applying for the position. The body should include a summary of the applicant's qualifications, accomplishments, and experience, as well as why they are a good fit for the position. The conclusion should express appreciation for the opportunity and reiterate the applicant's interest in the position.

  • Explain why you are applying for the position
  • Describe your relevant qualifications, accomplishments, and experience
  • Highlight any special skills that you possess
  • Demonstrate how you can help the school meet its goals
  • Explain how your previous experience will help you in this role
  • Detail any training or certifications you have that are relevant to the position
  • Discuss your leadership and management style
  • Outline any ideas you have for improving the school or district
  • Express your appreciation for the opportunity
  • Reiterate your interest in the position
  • Include any contact information where you can be reached

By including the necessary components of a principal cover letter, applicants can ensure that their application is complete and effective. The cover letter should be concise and clearly demonstrate why the applicant is the best person for the job. It is an important part of the job application process and should be given the same attention and care as the resume and other documents.

Complimentary Close

The conclusion and signature of a cover letter provide a final opportunity to leave a positive impression and invite further action. Here's how the conclusion and signature of a cover letter should look:

  • Summary of Interest: In the conclusion paragraph, summarize your interest in the position and reiterate your enthusiasm for the opportunity to contribute to the organization or school. Emphasize the value you can bring to the role and briefly mention your key qualifications or unique selling points.
  • Appreciation and Gratitude: Express appreciation for the reader's time and consideration in reviewing your application. Thank them for the opportunity to be considered for the position and acknowledge any additional materials or documents you have included, such as references or a portfolio.
  • Call to Action: Conclude the cover letter with a clear call to action. Indicate your availability for an interview or express your interest in discussing the opportunity further. Encourage the reader to contact you to schedule a meeting or provide any additional information they may require.
  • Complimentary Closing: Choose a professional and appropriate complimentary closing to end your cover letter, such as "Sincerely," "Best Regards," or "Thank you." Ensure the closing reflects the overall tone and formality of the letter.
  • Signature: Below the complimentary closing, leave space for your handwritten signature. Sign your name in ink using a legible and professional style. If you are submitting a digital or typed cover letter, you can simply type your full name.
  • Typed Name: Beneath your signature, type your full name in a clear and readable font. This allows for easy identification and ensures clarity in case the handwritten signature is not clear.

Claire Robbins

Dear Hiring Manager,

As a School Principal with three decades of leadership and teaching expertise in elementary, middle, and high school settings, I apply with enthusiasm for this opportunity.

I am currently the Principal of Sunnybank Elementary and Middle School in Dayton, OH, where I proactively promote a robust academic environment, integrate the latest technology to enhance learning and teaching delivery, and role model strong moral values for 850 students and 46 staff.

During my time at Sunnybank I have ensured the alignment of our CTE offerings, which has directly contributed to the significant increase in students completing pathways. I encourage a range of traditional and progressive methodology in the planning and delivery of instruction, with an emphasis on pedagogically-focused learning solutions that seamlessly integrate new technology and encourage an innovative use of resources to enhance student learning inside and outside the classroom.

Prior to Sunnybank, I held a number of increasingly-responsible leadership positions in several school districts throughout Ohio, including those of Middle School Principal and Director of Curriculum at high school level. In each of these roles, I sought to inculcate academic excellence, a supportive teaching environment, as well as a spirit of genuine community among students.

I hold an MA in Educational Leadership and a BA in Elementary Education. To further develop the leadership aspect of my expertise in response to changing global, social, economic, and educational trends I am currently completing a Master of Educational Psychology.

Please find attached my curriculum vitae for your consideration.  Thank you very much for your time. I look forward to hearing from you regarding next steps.

Yours sincerely,
