Dissertation Evaluation

Before the oral defense, the dissertation evaluation.

The dissertation evaluation enables the graduate school to:

  • Alert the dissertation chair of potential problems before the defense
  • Assists committee members in recognizing common and diverging concerns in planning the defense
  • Serves as a record of the committee’s evaluation

Because divergent evaluations submitted by the members of a committee may require further discussion prior to the oral defense, we ask that evaluations be received by OARD at least three working days prior to the day of the oral defense.

If the student does not supply each committee member with a copy of the dissertation and abstract, at least 10 working days before the oral defense the committee member may ask for a postponement of the defense.

The evaluation asks you to rank and/or comment on:

  • As submitted
  • After minor typographical and stylistic corrections
  • After minor substantive changes
  • After substantial revisions
  • Not acceptable
  • The scholarly character
  • Contribution to the field
  • Originality
  • Quality of writing
  • Quantity of research represented

Returning the Dissertation Evaluation

Visit the Online Evaluation System

Email to [email protected] . (Include the student name, ID number, and committee member’s name in the message).

Please allow enough time for the evaluation to reach us three working days before the defense.

After all of the evaluations are received and reviewed by Rackham, they will be available for review by the entire committee. The Oral Report Form (that all members sign at the defense) will be available to print through the online evaluation system. Please note: The dissertation evaluations are considered part of the student’s public file and the student has the right to see them after all requirements for the dissertation have been completed.

During and After the Oral Defense

The committee chair is responsible for printing, signing, and returning to Rackham OARD the Final Oral Report Examination within 48 hours after the defense but no later than 5:00 p.m. on the final doctoral degree deadline date. The student should confirm with the chair that the report has been submitted. The committee signs in on the Oral Defense Examination Report included that was printed from the online evaluation system, writes the results of the oral defense in the space provided, and returns the Oral Defense Examination Report to OARD.

The Chair will complete the Certificate of Dissertation Committee Approval in the online evaluation system when they have seen all the required revisions and corrections, then checks the appropriate box on the form and signs his or her name. The Certificate of Dissertation Committee Approval as well as the Oral Defense Examination Report must be submitted to OARD by the deadline the student is working with.

Progress tracking tool for managing PhD students

I am looking for good options for tools to manage my PhD students, in terms of seeing that they are on track in working out their PhD theses (I am in the UK, three year system) and are hitting their necessary milestones. Each year, as the number of students I supervise grow, it becomes more unwieldy to keep track of each student's progress.

In some ways this sounds like I am looking for a project management tool like MS Project or OmniPlan . But these seem too unwieldy and, perhaps, I would like to also have something that can help manage the chapters I have read and the comments I have given then.

So some basic features would be:

  • Collaborative software (preference of hosted on a server)
  • Task lists with deadlines
  • Timeline progression

I am curious what recommendations people have.

  • I have the same problem and simply use Dropbox and have a shared folder dedicated to each of my PhD students. All docs in one place, all versions of comments, dissertation prospectus, etc. it isn't as automated and checklisty as the other things suggested here... but it is great to know exactly where to find the most up to date info. –  TrueVoice Commented Dec 23, 2016 at 21:02

Like @Orion suggested, trello is great for organizing work. It is a kanban board where you express tasks as cards and you pile those cards in different decks ; usual decks are TO-DO, DOING and DONE, but this is up to you. You can have different boards, one per student. It is collaborative and allows to grant access to a board to specific users (e.g. each student's board would be accessed by the student and you). you can open a card and write comments on it.

If you prefer not to depend on an external service, you can self-host a trello clone, like wekan .

Update: for Gantt charts within the kanban board approach, I see 2 options:

  • Pay for the Trello extension called elegantt .
  • Use the open source kanban board called kanboard . It is less visually appealing, but comes with a Gantt view out of the box. You can either host it yourself or subscribe to the hosted version .

Try overleaf and sharelatex shared accounts! That way you can monitor thesis writing progress and even comment and modify.

  • Yes, in my previous life I was a programmer and can manage anything from Java to LaTeX to Git, but I don't expect my students to. Since going into academics, I prefer to write in Markdown and am very interested in online collaboration. The main ones I think work best, as of yet, are on Github or the equivalent as can be seen here . Thesis Examiners

Master’s thesis examiner.

For a Master's thesis, the examiner must be a scholar of established reputation and competence in the field of the thesis research. The examiner may be from inside or outside the University. Units* may nominate a member from within the Unit who is not in conflict of interest (see conflict of interest checklist ).

Doctoral Thesis External Examiner

The Doctoral external examiner must be a scholar of established reputation and competence in the field of the thesis research. They must be from outside the University, hold a doctorate or equivalent and have no other conflict of interest (see  conflict of interest checklist ).

Doctoral Thesis Internal Examiner

The internal examiner is expected to be knowledgeable in the area and topic of the thesis, though not necessarily to the same extent as the external examiner. The internal examiner also ensures that the written thesis meets the standards of McGill University.

The internal examiner is usually a McGill faculty member (but not the supervisor) affiliated with the student's Unit*, but they may also be nominated from other Units* at McGill. The internal examiner must not be in conflict of interest according to McGill’s conflict of interest regulations . A member of the student’s supervisory committee may be named as the internal examiner.

The internal examiner must attend the final oral thesis defence.  

Nominating Examiners

Examiners are nominated and invited to evaluate the initial thesis through myThesis. Units may have specific procedures for the selection of names prior to their entry into myThesis. For more information on myThesis, please see here .   

Objectivity of the Examination Process

Once the thesis has been submitted, no one outside of GPS should attempt to communicate with the examiner(s) regarding the thesis, nor should the examiner(s) communicate with one another or with the student or the supervisor(s) until the examination process is complete. Any contact with examiners by the supervisor, student or Unit after the nomination process constitutes a conflict of interest and the examination process will not go forward. All questions regarding the examination or defence should be addressed to the thesis.gps [at] mcgill.ca (GPS Thesis Unit) . 

Examination Procedures

When the thesis is sent for examination, the examiner(s) have a minimum of four (4) weeks to evaluate the thesis and return the thesis examination report(s). When the completed examiners’ reports have been returned to GPS, the procedures for Master’s theses and Doctoral theses are as follows:

Master’s thesis:

  • If the examiner has passed the thesis, GPS will send copies of the report to the student, supervisor(s), and the Unit. The student must make any corrections and/or minor revisions in consultation with the supervisor before final submission.
  • If the thesis has not been passed, see Thesis Examination Failures .

Doctoral thesis:

  • Both examiners must pass the thesis before the examination can proceed to the Oral Defence.
  • GPS will give myThesis access to view copies of examiners' reports to all members of the Oral Defence Committee (including the supervisor) approximately 3-5 business days before the defence. The student is not to see the reports until after the oral defence.
  • The student will have myThesis copies of all reports 1-2 days after the defence.
  • The student must make any corrections and/or revisions, where required, in consultation with the supervisor, or other individual designated by the Oral Defence Committee, before final submission of the thesis.

In cases where plagiarism is suspected, the examiner must return the thesis and report the suspected plagiarism, citing sources of the original material that was allegedly plagiarized. In cases where plagiarism in the thesis is charged, the thesis examination does not proceed and the case is investigated through a University disciplinary process.

*Unit refers to a department, a division, a school, an institute, or a Faculty/University-wide program.
