It is true but an artist needs the right tools so that he is at his best for paid assignments.

With the new advancements, mirrorless is the future. That’s the shortest possible answer to this widely asked question.

Let us dive into the camera, lenses, and accessories required in wedding photography without going into specific brand or model details.

  • Opt for a full-frame camera and it should be as lightweight as possible. If budget is a constraint, I would suggest looking for used gear.
  • Pick up three mandatory focal lengths for lenses. A wide lens (16/20mm) or focal length for the shooting venue. 24/35mm for storytelling shots and a mid-telephoto lens or portrait lens like 85mm for portraits and to shoot candid shots without going too close to the subject.
  • Optional lenses like 50mm or macro lenses are quite useful in shooting jewelry and getting ready details.
  • Accessories like on-camera flash and triggers for off-camera lighting work.
  • A tripod and lighting stand.
  • Reliable camera bag. Don’t trust your gear with cheap camera bags.

The opportunity to shoot a few weddings will help you build a strong portfolio. This cannot be a long-term option because you may not want to be in the price bracket these leads are looking for.

Well, the point I am trying to make is that you need to have a solid plan on how to promote your work. Most photographers lack this skill  or believe that good work is going to speak for itself.

We need to understand that good photography is a prerequisite for a solid wedding photography company. 

There is so much noise around that one has to consistently need to design hacks to  promote your brand . Yes, you need to treat your name or photography service as a brand.

Before I share a strategy to promote your wedding photography business, you need to be ready with the  tools to expand your wedding photography brand .

Below is the list of mandatory tools.

Don’t shy away from having a website. In my workshops, I have consistently seen hesitation among photographers on having a website or posting regularly on their website.

Treat the website as virtual real estate. And maintain your real estate.

Pick up one or two social media channels. For photographers, the best channel is Instagram. If you can grow your following or fanbase on one channel, it can do wonders in promoting your brand.

  • Post regularly at least 3-4 times a week preferably daily.
  • Use around 10-12 hashtags.
  • Hashtag strategy : Make a set of four groups of hashtags (10-12 hashtags in each group). Use these groups in rotation.
  • Only upload quality pictures that resonate with your photography style, brand, and goal (Check the first section).
  • Make an interesting profile/bio that catches the attention and creates curiosity. Hint: it is not as easy as it sounds. Write 2-3 profile content on paper and take feedback from friends and family.
  • Plan your weekly/monthly content.
  • Use a scheduler like a  creator studio  or  buffer  to post weekly content to save time and energy.
  • Take online courses/coaching if necessary to learn the craft of social media handling.

Always follow the golden rule of posting that reflects your uniqueness. Give them a reason to follow you. Post content that reflects your brand ideology and goals. It is not about your current emotions or political rants.

Wedding planning website has become a trap  and many wedding photographers have lost money as they have no strategy. 

Buying leads blindly is not advisable. Most of the time it works only in favor of these websites. As they earn money, not you. But it can work for a few wedding photographers if you play smart. Let me explain how

Get listed on these platforms. Pick the top 3-5 such websites. They all have free plans.

Check the kind of leads you are getting. Negotiate with clients to understand the kind of budget these leads fall into. Most of the time wedding photographers who are starting their business benefit from these platforms. It helps them to build a portfolio and work with real clients.

Once you begin to raise prices, you won’t get much leverage from these websites. There are too many clients as well as wedding photographers. ROI (return on investment) is way better on other channels than on these websites. Do negotiate the cost of wedding packages . They do offer discounts most of the time. Save money.

There are other modes of promoting your brands like digital marketing, networking with the photographer community and other industry events, referrals, etc. These are separate standalone topics of discussion. 

But as a wedding photographer who is starting out. The above three strategies are a must and building blocks for any other mode of promotion.

What is a workflow?

A workflow is a sequence of tasks to achieve the desired result more efficiently. Design a workflow that adds to customer experience. Always remember if there are no customers/clients there is no business.

Divide your wedding workflow into three phases.

  • Booking phase
  • Booked Phase
  • Delivery Phase

Booking Phase : This is the phase when you get client inquiries. The goal is to design a simple  process that aids in converting  the potential client into an actual client.

When you get an inquiry, you have crossed a major hurdle. You have been able to generate interest in your services and hence the client is reaching out. You cannot afford to present yourself as a callous artist or an “I am busy” photographer. 

Trust me a lot of photographers fall into this category. On the other hand, you don’t want to be a  desperate wedding photographer  ready to shoot at any cost. That’s not the kind of branding you want.

So what do you need to do?

Most of the inquiries will be in the form of emails, phone calls, and DMs on social media. Try to take the conversation to email. Email is easy to track the conversation. Always be proactive in responding to emails. 

Try to answer emails within 24 hours. Try to resolve the queries of the clients. 

Be positive and always  respond with a smile  even on emails or phone calls. It may sound absurd but you will see a change in the tone of your email and conversation when you respond with a smile.

Client Follow-up tip?

Whenever you send an email with a quote, add a reminder/ snooze  for it. 

If you are using Gmail or GSuite, it has an inbuilt snooze. Alternatively, use any free third-party tools like  Todoist  which integrate with Gmail for reminders and to-do tasks.

The reminders are for the follow-up to your email/quote sent. Setup the date of a reminder after a week or so is a good idea. In cases like when the wedding date is next year or next season, follow-up can be from 2-3 weeks from the date of the email sent.

A gentle follow-up is like a gentle reminder that reflects you are interested in the job. A client wants to hire a photographer who is interested in the job instead of one who is always busy. Client experience matters.

Booked Phase : This is the phase where the excitement begins. You have a client now!

The expectations you have set in the booking phase should continue. The client should feel you are as interested as you were in the booking phase. The  enthusiasm should not dip .

It is time to do the prerequisites before the shoot. 

  • Sign a  wedding photography contract  with the couple. 
  • Make sure the booking amount is transferred (50% is the industry norm).
  • Book your flights/hotels and send an ecopy to the client if it is borne by the client.

Delivery Phase : Finally your shoot is over and you are back. It is a phase for the client when they are looking up to you for their pictures. The client wants you to meet their expectation but you have to surpass them. Make sure you have clicked some amazing images and you edit them professionally with timely delivery.

Client experience

As you might have realized from the above section workflow saves photographers time and adds to the client experience.

The client experience is of extreme importance right from the first moment they contact the photographer to delivery (and beyond). It includes going through your website, social media channels, phone calls, email, or during the shoot.

Here are some do’s and don’t you need to take care of.

  • Never delay your deliveries.
  • All post-processing work should be of the highest standard.
  • In case there is a delay, keep the clients in the loop. No last-minute surprises.
  • Use quality packaging customized with your branding for delivery.
  • Add a thank-you note.

Always remember your past clients are an important source for referrals.

Branding is what you should be known for and what sets you apart. This matter is of extreme concern to professionals who want to grow season after season. They are not here for some quick money.

  • Mission statement or a one-liner on the front page. It should stay and play with the client’s psyche.

There are two methods by which you can do market research. The first one is to go through the DIY process. This is usually what most beginner entrepreneurs do. It is neither the most recommended method nor the most effective method of doing market research.

The reason is that not every business entrepreneur is excellent at market research. Market research is a specialized job requiring years of experience and domain knowledge to develop a solid business plan effectively.

We're not suggesting that a business entrepreneur does not have domain knowledge. He can be an experienced photographer with a lot of knowledge about the industry.

He may know how to start a photography studio business on the side. He can perhaps even develop a good business plan on his own complete with a costing analysis.

But he may not be an expert in marketing. Additionally, he may not have a solid knowledge of the day-to-day operations of a business. A businessman must address details of setting up the business, identifying the target customers, its daily process, financial requirements, and revenue generation.

Understanding where you fit in the market is essential to formulating a business plan. There may already be a lot of professional photographers in the market that you're trying to target. Many of them might work in the same genre you are trying to target.

How would you place yourself so your services and products are unique to your clients? How will your target customers identify you as a better option than your competition?

Let's say you are a wedding photographer trying to find your place in an already saturated market. First, you must figure out whether you should open your studio in an already saturated market.

If there are more threats in the form of competition than opportunities in the form of business, you will find it very difficult to run your business long-term.

Statistics have shown that 10% of all new businesses perish within the first year, and 30% of all new businesses perish after operation for over three years. The numbers are gloomy, but they teach an important lesson. Finding another market where competition is less and opportunities are more is advisable.

On the other hand, if you are determined to go ahead with your photography studio proposal in an already competitive market, it is best to establish yourself as someone who offers something unique.

It might be how you post-process your images, or you can throw in a pre-wedding shoot as a free component of the wedding photography package.

Determining your position in the market and what you are offering that's not already out there is a critical element of business success. Sure, competition will catch up to you once they realize that you're offering something unique and nobody else is doing it, but you will have the first starter's advantage.

We can cite the example of a pet photographer, somebody who specializes in photographing stunning images of pets. Pet photography is something that not many photographers prefer to do.

It's a lot of work, and you must be great with pets. It would also help if you had oodles of patience because these furry friends have no regard for your priorities.

But if you're good with pets and genuinely love them, it could be an excellent opportunity to start a business that solely caters to pet photography.

Once you have the essential elements of your business in place, like a business name, logo, website, and business cards, you need to implement a marketing strategy to get your name out there.

Most beginner photography entrepreneurs feel that the best way to succeed is to shoot great photos. They think that the business management part comes second.

It's actually the other way around. All successful photographers who have established a successful business are good at business management. This is why it is not always the most talented photographers who taste business success but those who are good at managing their business.

Marketing is one of those essential aspects which differentiates successful businesses from unsuccessful ones. Marketing can bring new clients on autopilot and help you improve the flow of revenue.

There are different channels of marketing. In the modern age, the Internet and social media are the most effective tools to get news about your business.

Lets get started with the plan. Here are different ways to market your business. You can do it alone, you do not need any special skills and it just takes some planning and effort.

Join associations, start a blog, collaborate, offer freebies.

Don’t be shy. Let friends and family members know what you do. Letting close family members know is very helpful. You can be very informal with them. Usually, they will ask you to photograph their events ( since they know what you do).

You should take a different approach with strangers you meet at events and meetings. It is best you do not approach them directly. People just back of or say no.

The best way to let others know is by letting them know the benefits of your business and how it will help them. This is a technique I learnt from Lisa Nichols. She mentions – state the benefit, what is in it for them, and then ask them if they know anyone who this could help.

Never ask people if they are interested in your service. If they fit your criteria or want your service, they will let you know they are interested.

Example: Hi I am Latha a wedding photographer. I help people capture their best moments at the wedding. Clients love the pictures and the ease with which they can share the digital prints. Do you know anyone who would be interested in getting a portfolio made?

This works really well. Polish your script and m emorize it. I used it for my work and almost every person I apprached said “Yes”.

There are many meetups organised online and offline. I have listed a meetup link below for photographers. Check it out. You can also join organisations which allow you to network . These organisations could be formal like Rotary Meets or informal like a tea party or a club meeting.

Tie up with other people in your industry or a complementary industry. You can collaborate with Birthday party organizers, event planners, florists, bakers, hotels.

There are many ways to collaborate

  • Offer a referral fee
  • Discounted coupons for their referrals
  • You promote each other’s business
  • Some of you collaborate and create a flyer to be handed out which offers all services. For example – if its a wedding the flyer has discounts from bakers, florists, photographer. The flyer costs can be divided among all of you.
  • If you are a baby photographer you can tie up with hospitals and midwives. Leave a flyer with a discount. New parents are usually given a baby hamper and marketing materials can be added to that.

If you are on a budget social media can be your best friend. Social media is an effective medium to generate leads. I have generated numerous leads just using social media.

The best social media sites for photographers are the ones which are visual such as Pinterest and Instagram.

Share Photoshoots, behind the scene pictures, Discount coupons. Host giveaways, share tips on photography ( if you want to).

Here are some tips to make social media work for you

  • Be consistent
  • Use free tools like Buffer, Tailwind, Planopoly to schedule posts
  • Pick only one or two social media platforms and stick to that
  • Post colorful and eye catching images
  • Use hashtags to gain visibility
  • Learn image seo – name images to you keyword before sharing, using alt tag to add extra information to images. Instagram has started the alt tag feature recently and its a good platform for photographers.

Most freelancers and even small business owners delay purchasing a website. They leave it for later ( when they have established a business).

If you are passionate about your business, I highly recommend investing in a domain name. Blocking your domain name also ensures that no one else takes your business name.

You can then either host it or link it to a free blog such as blogger. I would recommend your own hosting but if you are on a tight budget just host it on a free blog like blogger.

On your website let people know about your business, showcase your portfolio, have a contact number and email.

If you are a part of any associations add their badges on the website, let people know of any awards you might have won as well.

A Blog is kind of an online journal in which you answer questions your potential clients might have. You post articles which can position you as an industry leader.

One word of cation, this is a slow process, it takes time but once things start moving it is unbelievable. I have seen it work in less than 3 months and sometimes it has taken us 8 months. Just be patient.

There are many Photography associations you can be a member of. I have listed a few below. Register with those which resonate with you.

In the beginning it can be very difficult and lonely going alone. You will need a good mentor and lots of support.

Associations have regular meetups, contests, workshops. You can also get an opportunity to look into the minds of the greats in photography. Why not ask a photographer if you can be their assistant for free?

People LOVE free stuff. Even I do. The word FREE or discounted is a game changer. If I had to choose between Business A and B if service etc is almost the same, I would go with the business which offers some monetary benefit.

Trust me there are many others like that as well.

In many businesses I have offered free services. This was mostly when I was starting out. Pricing my services low or FREE gave me an opportunity to learn new things. Once I got more confident I hiked up my prices and people are willing to pay for the service.

We have covered a lot of topics and now lets make it all workable.

  • Identify one social media channel
  • Set it up. Add a photograph, banner, logo. Link it to your website
  • Post at least once a day on your channel of choice using hashtags and descriptive words and clear attractive images
  • In the meantime add your portfolio on your website
  • Design and print flyers and business cards
  • Collaborate with other photographers, go to events, share your marketing material
  • Start building up your portfolio.
  • If you have no clients ask if you can take pictures of your family and friends special events. Learn how to film in different lighting. Master the camera, lens, aperture.
  • Attend workshops, seminars, tag along with senior photographers and work for them

Phoebe’s Photo Studio will meet the needs of professionals and their families to capture the special moments in their lives and present them in the best light. We will establish a relationship in which we initiate the calls to keep their photos up to date. Digital files of their photos will be available for free by e-mail, or with a nominal fee for CD.  Because of our relationship with the families, when something big like a wedding comes, there’s no place else they would go.

The studio will have a highly visible electric sign and a 20-foot wide display window visible to passing foot and auto traffic. Customers will enter a public area with a counter, samples of our photographs and albums, and couches for waiting. A separate playroom with props and other toys will accommodate children with sitting areas for parents, while a utility area off the back door will be set up to accommodate pets and their props. Children, pets and props can be brought into the photography studio for their photographs.  An office and working area will be used for assembling the final product.

A Hawaiian wedding planner shares 4 insider tips for planning a wedding on the pricey island

With wedding season around the corner, there are a number of decisions to make about the theme, guest list size, and, of course, location. In 2023, 62% of weddings in Hawaii were between non-residents, according to preliminary government data . The state is a popular destination wedding spot for its luscious greenery, picturesque views, and beautiful weather, but how do you decide if it's right for you?

Getting married in Hawaii is more expensive than in most American states. The average wedding cost in Hawaii in 2023 was $28,000. The cheapest US state to get married in is Alaska, with an average cost of $12,083. Hawaiian weddings are more costly because anything not produced or grown in Hawaii must be shipped in, raising the prices of flowers, food, and decor.

"I tell my clients to look at the average price of weddings in New York City, San Francisco, and L.A. because those are more similar in price point," says Zabrina Zablan-Duvauchelle, the founder and owner of queer-owned wedding and event planning business The Gay Agenda Collective .

She has worked with dozens of couples to plan weddings and events in their home in O'ahu and beyond, and she has a few tips to keep in mind for couples considering having their nuptials on the islands.

Be clear on why you want to get married in Hawaii

The first step when deciding to get married in Hawaii is to educate yourself about the state's history and understand why it would be meaningful to get married there.

"One of the first questions to ask yourself is, 'Why Hawaii?'" Zablan-Duvauchelle said. "If you have a familial connection or fell in love here, that's great. That reason will guide you in the process of planning your wedding in an intentional way, which starts with connecting back to the local land and people."

Zablan-Duvauchelle encouraged couples to think about ways to give back to the island, whether by having guests donate to local organizations in lieu of gifts, sharing a list of local businesses that guests can support during their visit , or even having a volunteering day with guests .

Support local vendors whenever possible

The wedding industry is incredibly lucrative, and a huge economic boost for Hawaii. Couples should honor this and support local vendors as much as possible. Zablan-Duvauchelle said couples can find local photographers and wedding planners, as well as buy guest favors from local businesses.

"Having a local wedding planner can help you identify local vendors," Zablan-Duvauchelle said. "You can also use social media to find vendors that align with what you're looking for," she added.

Choose a venue space that makes sense for you — and the weather

Hawaii has many microclimates to consider. For example, the Waikiki side of O'ahu and Poipu to Waimea on Kauai tend to be drier than the mountains and valleys on the other side of the island. Rain is always possible regardless of where you are, so Zablan-Duvauchelle encourages couples to plan and budget accordingly.

" If you're at a venue that's really green, know that it's usually a product of rain," Zablan-Duvauchelle said. "In Hawaii, every day could be the rainy season with the most rain from November to April, so you'll want to factor a tent into your budget or look for a venue that has a contingency plan."

There are no private beaches in Hawaii. According to Zablan-Duvauchelle, locals and visitors alike may be passing by and enjoying the shoreline. She added that couples should check local laws before choosing a specific beach because most have restrictions and require a permit for weddings.

The planner said couples wanting a more private waterfront should look for secluded beaches with harder-to-reach access points, estates, or hotels.

Start planning early

Planning as early as possible is true for all weddings, especially in Hawaii, according to Zablan-Duvauchelle. Many popular and high-profile venues in Hawaii can book out a year in advance, with weekend dates often filling up first.

If you have a specifc special date in mind, Zablan-Duvauchelle encourages you to book your venue no later than 15 months in advance to help guarantee your spot. Choosing a venue can also be a helpful exercise in selecting a final guest count since some venues have much lower capacities.

You can start booking your preferred vendors seven to twelve months in advance. They will use your wedding date to confirm their availability and any travel costs that may be needed.

If you want to meet some of your vendors for hair and makeup trials or catering tastings, Zablan-Duvachelle suggests booking a wedding planning trip to help guide your decision-making.

It's the small things that count

No matter where you decide to have your wedding, Zablan-Duvauchelle said the details make a wedding sing.

Many of her couples request personalized touches such as seating charts made of friendship bracelets or 3D-printed centerpieces . These small things make a wedding feel unique to the couple and are as important as the destination.
