For most people, Microsoft 's PowerPoint remains the original and best of all the presentation software platforms out there. While other companies have managed to catch up and offer rival products worthy of consideration, the fact is that PowerPoint's familiar interface and ubiquitous availability means it remains a favorite for the majority of people.

On the one hand, it's long been a staple of the hugely popular Microsoft Office suite, meaning that for most users this is going to be the first - and last - presentation software they are going to need to use.

Additionally, Microsoft has made PowerPoint, along with their other office products, available as free apps (with limited functionality) on both iOS and Android for mobile use, meaning it's even harder to avoid them. And this is before we even consider the inclusion of PowerPoint in Microsoft's cloud-based Microsoft 365.

It does everything necessary that you'd expect of presentation software, allowing you to add text and media to a series of slides, to accompany a talk and other presentations. There are easy-to-use templates included to help spice things up a little, but even a general user with little experience of it is likely to find themselves able to use PowerPoint without much trouble at all.

Overall, it's hard to go wrong with PowerPoint, and although Microsoft 365 has a nominal cost, the apps are free to use even if they do have more limited functionality.

Presentations can also be tailored to the specific audience, as this is a flexible platform that’s capable of skipping ahead, or veering off into a side topic, without having to flip through all the slides to get to a particular bit.

For business users, there are a variety of handy tools available. By downloading Prezi , you can build and edit presentations with your colleagues in real-time, which is perfect for companies with teams based around the globe.

When you have created a presentation you’re happy with, you can present it live (in HD) and send a direct link to viewers. There are some analysis tools here, too – you can see who’s accessed your presentation, which parts of it, and for how long. The app is available for Mac and Windows devices.

Other presentation software to consider

Google Slides  is part of the Google Workspace (formerly G Suite) office platform intended as an online alternative to Microsoft Office. It may seem a little limited by comparison to PowerPoint, but as it's browser-based that means cross-platform compatibility. Additionally, it allows for collaborative work, and Google Slides really works well here. On top of the fact that it integrates with the rest of the Google Workspace apps, not least Google Drive, and you have a contender. 

Zoho Show  is another of the many, many tools and apps that Zoho has made available for business use. It also operates in the cloud so it's accessible to any device with a browser, and it also allows for collaborative work. You can also easily share the link for users to download, or provide a live presentation online. The updated version has a simpler and easier to use interface and comes with a free version and a paid-for one with expanded features.

Evernote  is normally thought of as just note-taking software, but it does provide the option to create a presentation you can share online or with an audience. In that regard, it's a little more limited than the other options in not being dedicated presentation software. However, as an easy and handy way to pull together a presentation quickly, it could serve as a backup or last-minute option, especially if Evernote is already being commonly used by you.

LibreOffice Impress  is part of the open-source suite offered as a free alternative to Microsoft Office, and comes with a powerful array of tools and editing options for your presentation, not least working with 3D images. It's supported by a large community, so it's easy to find an array of additional templates. If there is a limitation it's that it's software you download and install rather than web-based, but any presentations created should be easily portable to the web if needed.

Adobe Spark  does things a bit differently, as rather than just use images it's geared toward video as well. This makes for potentially more powerful multimedia presentations, especially as Adobe also has a big selection of photos and images available for its users. There is a free tier for core features but requires a subscription for custom branding, personalized themes, and support.

Slides  comes with a lot of features in an easy-to-use interface, and involves setting up presentations using drag and drop into an existing grid. It's also internet-based so there's no software to download, and it only requires a browser to use and access.

PDF files are the standard format when sharing documents, and it's easy to see why. They open on all operating systems, they can be password-protected, copy-and-edit-restricted, and you can even prevent others from printing them out.

PDF files aren’t affected by viruses, so you can pretty much always open them with confidence. A PDF file opens almost instantly, you can easily embed videos, as well as pictures, sound files, and other media. Take that, Microsoft Word!

What is pympress.

Pympress is a PDF presentation tool designed for dual-screen setups such as presentations and public talks. Highly configurable, fully-featured, and portable

It comes with many great features ( more below ):

  • supports embedded gifs (out of the box), videos, and audios (with VLC or Gstreamer integration)
  • text annotations displayed in the presenter window
  • natively supports beamer's notes on second screen , as well as Libreoffice notes pages!

Pympress is a free software, distributed under the terms of the GPL license (version 2 or, at your option, any later version).

Pympress was originally created and maintained by Schnouki , on his repo .

You can get pympress from the pympress COPR repo of your system. With yum or dnf, simply do:

  • If you get an error message along the lines of "MSVCP100.dll is missing", get the Visual C++ 2010 redistributables from Microsoft ( x86 (32 bit) or x64 (64 bits) ). Those libraries really should already be installed on your system.

Make sure you have all the dependencies . (These are already included in binary packages or their dependencies.)

If your python environment lacks the Gobject Introspections module, try

  • using --system-site-packages for pipx or virtual environments ,
  • installing pygobject and pycairo with pipx ( pipx inject pympress pygobject pycairo ), which requires the correct development/header packages be present on your system. See the PyPI installation instructions of PyGObject for your system .

As per the python documentation on installing , it is recommended to install packages in virtual environments. Since mid 2022, the pipx tool automates this process. Your distribution (or Homebrew on macOS) should have a version you can install. Alternately, you can get the same effect with the standard venv and pip modules:

  • If you don’t want to use system packages, you can build and install pygobject/pycairo in the virtual environment using ~/.local/lib/venv/bin/pip install pygobject pycairo
  • You can adjust the ~/.local/lib/venv/ path to your personal preference.

Unfortunately, installing pympress in a virtual environment means you will not get desktop integration (i.e. installing pympress' desktop and png files to have pympress show up in your menus etc).

This is by design , as desktop applications are intended to be installed through system packages (rpm, apt, etc.). You can work around this in 2 ways:

  • Manually (note that links/copied files will need to be removed): cp " ` pipx environment -V PIPX_LOCAL_VENVS ` /pympress/share/applications/io.github.pympress.desktop " ~ /.share/applications/ ln -s " ` pipx environment -V PIPX_LOCAL_VENVS ` /pympress/share/pixmaps/pympress.png " ~ /.share/pixmaps/
  • Relying on the deprecated data_files, that only work outside of virtual environments . This means installing with pip : python3 -m pip install --user --break-system-packages pympress

To support playing embedded videos in the PDFs, your system must have VLC installed (with the same bitness as pympress). VLC is not distributed with pympress, but it is certainly available in your system’s package manager and on their website .

Opening a file

Simply start Pympress and it will ask you what file you want to open. You can also start pympress from the command line with a file to open like so: pympress slides.pdf or python3 -m pympress slides.pdf

Functionalities

All functionalities are available from the menus of the window with slide previews. Don't be afraid to experiment with them!

Keyboard shortcuts are also listed in these menus. Some more usual shortcuts are often available, for example Ctrl + L , and F11 also toggle fullscreen, though the main shortcut is just F .

A few of the fancier functionalities are listed here:

Two-screen display : See on your laptop or tablet display the current slide, the next slide, the talk time and wall-clock time, and annotations (either PDF annotations, beamer notes on second slide, or Libreoffice notes pages). The position of the beamer or Libreoffice notes in the slide is detected automatically and can be overridden via a menu option.

If you do not want to use second-slide beamer notes but prefer to have notes on their own pages, you can enable auto-detection of these notes. Use the following snippet that prefixes the page labels with notes: on notes pages:

Media support : supports playing video, audio, and gif files embedded in (or linked from) the PDF file, with optional start/end times and looping.

Highlight mode : Allows one to draw freehand on the slide currently on screen.

Go To Slide : To jump to a selected slide without flashing through the whole presentation on the projector, press G or click the "current slide" box. Using J or clicking the slide label will allow you to navigate slide labels instead of page numbers, useful e.g. for multi-page slides from beamer \pause .

A spin box will appear, and you will be able to navigate through your slides in the presenter window only by scrolling your mouse, with the Home / Up / Down / End keys, with the + and - buttons of the spin box, or simply by typing in the number of the slide. Press Enter to validate going to the new slide or Esc to cancel.

Deck Overview : Pressing D will open an overview of your whole slide deck, and any slide can be opened from can simply clicking it.

Software pointer : Clicking on the slide (in either window) while holding ctrl down will display a software laser pointer on the slide. Or press L to permanently switch on the laser pointer.

Talk time breakdown : The Presentation > Timing Breakdown menu item displays a breakdown of how much time was spent on each slide, with a hierarchical breakdown per chapters/sections/etc. if available in the PDF.

Automatic file reloading : If the file is modified, pympress will reload it (and preserve the current slide, current time, etc.)

Big button mode : Add big buttons (duh) for touch displays.

Swap screens : If Pympress mixed up which screen is the projector and which is not, press S

Automatic full screen : pympress will automatically put the content window fullscreen on your non-primary screen when:

  • connecting a second screen,
  • extending your desktop to a second screen that was mirroring your main screen,
  • when starting pympress on a two-screen display. To disable this behaviour, untick “Content fullscreen” under the “Starting configuration” menu.

Estimated talk time : Click the Time estimation box and set your planned talk duration. The color will allow you to see at a glance how much time you have left.

Adjust screen centering : If your slides' form factor doesn't fit the projectors' and you don't want the slide centered in the window, use the "Screen Center" option in the "Presentation" menu.

Resize Current/Next slide : You can drag the bar between both slides on the Presenter window to adjust their relative sizes to your liking.

Caching : For efficiency, Pympress caches rendered pages (up to 200 by default). If this is too memory consuming for you, you can change this number in the configuration file.

Configurability : Your preferences are saved in a configuration file, and many options are accessible there directly. These include:

  • Customisable key bindings (or shortcuts),
  • Configurable layout of the presenter window, with 1 to 16 next slides preview
  • and many more.

Editable PDF annotations : Annotations can be added, removed, or changed, and the modified PDF files can be saved

Automatic next slide and looping

Command line arguments

  • -h, --help : Shows a list of all command line arguments.
  • -t mm[:ss], --talk-time=mm[:ss] : The estimated (intended) talk time in minutes and optionally seconds.
  • -n position, --notes=position : Set the position of notes on the pdf page (none, left, right, top, bottom, or after). Overrides the detection from the file.
  • --log=level : Set level of verbosity in log file (DEBUG, INFO, WARNING, ERROR).

Media and autoplay

To enable media playback, you need to have either:

  • Gstreamer installed (enabled by default), with its gtk plugin ( libgstgtk ) which is sometimes packaged separately (e.g. as gst-plugin-gtk or gstreamer1.0-gtk3 ), and plugins gstreamer-good/-bad/-ugly based on which codecs you need, or
  • VLC installed (and the python-vlc module), with enabled = on under the [vlc] section of your config file.

On macOS, issues with the gstreamer brew formula may require users to set GST_PLUGIN_SYSTEM_PATH manually. For default homebrew configurations the value should be /opt/homebrew/lib/gstreamer-1.0/ . Make sure to set this environmental variable globally, or pympress might not pick it up.

Dependencies

Pympress relies on:

  • Python (version ≥ 3.4, python 2.7 is supported only until pympress 1.5.1, and 3.x < 3.4 until v1.6.4).
  • Poppler , the PDF rendering library.
  • Cairo (and python bindings for cairo), the graphics library which is used to pre-render and draw over PDF pages.
  • Gdk, a lower-level graphics library to handle icons.
  • Introspection bindings for poppler may be shipped separately, ensure you have those as well ( typelib-1_0-Poppler-0_18 on OpenSUSE, gir1.2-poppler-0.18 on Ubuntu)
  • optionally VLC , to play videos (with the same bitness as Python) and the python-vlc bindings.
  • optionally Gstreamer to play videos (which is a Gtk library)

On linux platforms

The dependencies are often installed by default, or easily available through your package or software manager. For example, on ubuntu, you can run the following as root to make sure you have all the prerequisites assuming you use python3 :

Warning: this can take a substantial amount of disk size as it requires a full software distribution and building platform.

Using PyGobjectWin32. Be sure to check the supported Python versions (up to 3.4 at the time of writing) , they appear in the FEATURES list in the linked page.

  • Install native python for windows
  • Get GTK+3, Poppler and their python bindings by executing the PyGi installer . Be sure to tick all the necessary dependencies in the installer (Poppler, Cairo, Gdk-Pixbuf).

Alternately, you can build your Gtk+3 stack from source using MSVC, see the Gnome wiki and this python script that compiles the whole Gtk+3 stack . This strategy has not been used successfully yet, due to problems building Poppler with its introspection bindings (i.e. typelib) − see #109 .

Step 10 A window will appear saying, "Recording is complete." Click Open Folder so you can review the recorded presentation.

If you don’t have your presentation already created in PDF but in PowerPoint, you can export the PowerPoint presentation to PDF format. The process is simple in newer versions of PowerPoint. Go to File -> Save As and then pick PDF (*.pdf) as the format.

If you want to have more options at the time of saving your PowerPoint presentation, then you can use the File -> Export PDF option.

Clicking Options, you can access a variety of exporting options, like choosing the number of slides to save as pages in the target PDF presentation, the publish options to consider or not hidden slides, comments or frame slides, and the PDF/A compliant option.

Then, to present your PDF presentation, you can use one of the programs listed above, like Acrobat PDF.

There are a few options that you can adjust in the settings to make the PDF presentation flow like in PowerPoint.

Go to File -> Preferences, and then look at the following options:

  • Full Screen -> Loop after last page: Check this option if you want to loop after reaching the last page and start again from the beginning.
  • Advance every X seconds. Check this option if you want to automatically advance the presentation every X seconds. Remembed to enter the number of seconds (like in the image, 5 seconds).

When you are ready to present, go to View -> Full Screen or press CTRL-L to start your presentation

Case Studies and Examples

To illustrate these techniques, consider the case of a corporate annual report prepared by the presentation designer as a .pptx (in PowerPoint) but also in PDF format.

When the presenter entered the presentation room, he realized the computer in which he needed to run the slideshow didn’t have PowerPoint installed nor access to Internet, given the privacy restrictions at corporate level. Opening PowerPoint with PowerPoint online was not an option in this case. But the computer had Acrobat installed so he could open the PDF presentation.

The presenter effortlessly navigated through the pages, zoomed in on important data, highlighted key points, and engaged the audience with interactive elements embedded in the document.

With Adobe Acrobat Reader, you can present a regular PDF in similar fashion to a PowerPoint presentation.

Format presentation

  • Under the "Edit" tab, click "Preferences".
  • Under the "Full Screen Navigation" Section, you can loop the presentation by checking the "Loop after last page" option.
  • You can also set the "speed" of the presentation with the "Advance every [ ] seconds" option.
  • It is recommended to leave the "Escape key exits" option checked in order to quit the presentation early.

Present PDF

  • Under the "View" tab, click "Full Screen Mode". This will start the presentation.
  • In order to end the presentation before it's finished, press Esc

For events and conferences, Powerpoint is still the most popular presentation-program. But if you work professionally as an A/V technician or event-organizer, you need to deal with more presentation-types. Speakers will come to you last minute with their presentation in whatever format they please, and it’s your job to make sure that it’s displayed correctly. And no, you can’t demand that the speakers bring their presentation 1 week before the event in the perfect format of your liking. (Trust me, I have tried this) You just got to take whatever the presenter throws at you and make it work.  And PDF seems to be a format that just won’t go away. Some speakers like it because they think it will look the same on all devices, and other use it for security-reasons: I recently worked on a conference with speakers from the Norwegian secret service, and they all brought PDF-files. There is no way in hell I would ever ask them to use Powerpoint or Keynote. So, whether we like it or not, we must deal with PDF-presentations, and make the best out of it.  

Challenges with PDF

You may think of PDF as an easy format to work with: The presentations will look the same on most devices, and you can use the industry-standard Adobe Reader to open the files. But for AV-technicians, there are some pitfalls with PDF´s that you should be aware of: – You need to manually drag the program-window of Adobe Reader to the screen where you want it to display. This can be a hassle to do right before the presenter enters the stage, especially if you don’t have a good view of the screen/projector. (With Powerpoint this is smoother because you have a shortcut and button that takes care of these things for you) If you mirror the display, it´s easier to put the PDF in fullscreen. But normally in pro AV, you want to avoid showing your desktop to your audience. And if you are also dealing with Powerpoint or Keynote presentations, you probably have your screen as extended already. Thus it´s better to also keep it this way when displaying PDF´s. 

– When using dual displays, the PDF only covers one of the screens. If you accidentally push the mouse outside the screen which displays the PDF, presentation-clickers will no longer advance the PDF to the next slide. 

Using APS to display PDF presentations in fullscreen

Auto Presentation Switcher (APS) makes it easier to work with PDF on events and conferences. You still use the standard apps for the PDF´s, but APS simplifies the task of finding the PDF-file and display it on the correct monitor:

  • Instead of dragging windows around, the shortcut Command + uparrow (Mac) or Control + uparrow (PC) will take the current presentation and display it in fullscreen on the external display. 
  • By using Companion and Stream Deck, you can make APS open and display specific PDF-files. With Adobe Acrobat Pro, you also get commands that can advance to the next slide even when the app is not in window-focus.
  • For a “playlist-style” workflow, you can add all your presentation-files of PDF, Powerpoint and Keynote alphabetically in a folder, and during the event, push “ctrl+rightarrow” (PC) or Command + rightarrow (Mac) to toggle to the next
  • presentation.

Other options to display PDF as a slideshow on the external display

What we have tried with APS is to supercharge Adobe Reader and Acrobat for professional AV. There are, however, other options available that can improve your workflow with PDF´s:

Convert PDF to powerpoint

It is easier to work with presentations if they all are in the same format. If you can convert the PDF´s to Powerpoint, you dont need to change your workflow just for the PDF´s. To do this conversion, you can either go directly to the PPTX format, or first convert to images which you import as a slideshow into Powerpoint.  What I have learned the hard way, is that you should be very careful when using this method: PDF is notoriously hard to convert to another format without adding graphical artefacts. I have tested a lot of different pdf to powerpoint converters, and I have so far not managed to find a method that does this reliably. If you accept that there will be some visual differences, it works fine, but not for displaying presentations for an audience.  This conversion was one of the reasons I bought a licence for Adobe Acrobat Pro, but I wasn’t happy with the results. What I ended up doing, was to first to convert from PDF to images, then import this into PowerPoint as a slideshow. This worked fine for several years, but one day I discovered that there were some subtle differences on one of the PDF-presentations I handled. Since then, I have avoided this method.  So today, I don’t know an easy and bulletproof way of converting PDF to PowerPoint without image-glitches.

Use a different software to display PDF´s In preparation for this blogtext, I have been looking for other software that are good at displaying PDF-presentations in fullscreen on the external display. And I have found two solutions: 

  • PDFPC  is software that is made to make PDF-presentations look like Powerpoint or  Keynote: You get the presenter-view and the PDF is shown in slideshow-mode, and in theory it looks really good for our purpose.  However, this is an open-source project, and you need to build the software yourself from the source-code, which will be a turn-off for many. And I haven’t found too much information about this software, so I am not sure how bullet-proof it is for live events. It could be that it works great, but it needs some work. 
  • SlideDog  embeds the PDF-presentation as a part of their main presentation-software. The SlideDog interface is how we want it with presenter-view and slideshow-mode, and you can also combine the PDF with other formats like Powerpoints, videos and images. The PDF´s are displayed using Adobe Reader, which means that the PDF should be displayed properly.  SlideDog is a serious alternative, especially if you have time to organize all your material for your event into one big file. Note that it only works for Windows.

The advantage of using APS with PDF-presentations

APS can help with some critical tasks when working with pdf-presentations: Our software makes it much easier to display the correct presentation where you want it. But you can still use the industry-standard Adobe software to work with the presentations. Then there is never any doubt that the PDF looks as it should, and if you are using the pro version of Acrobat, you can also edit the presentation-file. This can be a lifesaver if the PDF has some wrong facts that is discovered right before the presenter enters the stage.

APS is an invisible program that runs in the background of your computer and is only called to action when you need it to do some work for you. This makes it very easy to intergrate into existing workflows. And APS works for both PC and Mac on all recent OS, making it suitable for any computer where you want to display your PDF.
