When you’re first asked to do referencing in an essay it can be hard to get your head around it. If it’s been a while since you were first taught how to reference, it can be intimidating to ask again how to do it!

I have so many students who consistently lose marks just because they didn’t get referencing right! They’re either embarrassed to ask for extra help or too lazy to learn how to solve the issues.

So, here’s a post that will help you solve the issues on your own.

Already think you’re good at referencing? No worries. This post goes through some surprising and advanced strategies for anyone to improve no matter what level you are at!

In this post I’m going to show you exactly how to reference in an essay. I’ll explain why we do it and I’ll show you 9 actionable tips on getting referencing right that I’m sure you will not have heard anywhere else!

Part 1: What is a Reference and What is a Citation?

What is a citation.

An in-text mention of your source. A citation is a short mention of the source you got the information from, usually in the middle or end of a sentence in the body of your paragraph. It is usually abbreviated so as not to distract the reader too much from your own writing. Here’s two examples of citations. The first is in APA format. The second is in MLA format:

  • APA: Archaeological records trace the original human being to equatorial Africa about 250,000–350,000 years ago (Schlebusch & Jakobsson, 2018) .
  • MLA: Archaeological records trace the original human being to equatorial Africa about 250,000–350,000 years ago (Schlebusch and Jakobsson 1) .

In APA format, you’ve got the authors and year of publication listed. In MLA format, you’ve got the authors and page number listed. If you keep reading, I’ll give some more tips on formatting further down in this article.

And a Reference is:

What is a Reference?

A reference is the full details of a source that you list at the end of the article. For every citation (see above) there needs to be a corresponding reference at the end of the essay showing more details about that source. The idea is that the reader can see the source in-text (i.e. they can look at the citation) and if they want more information they can jump to the end of the page and find out exactly how to go about finding the source.

Here’s how you would go about referencing the Schlebusch and Jakobsson source in a list at the end of the essay. Again, I will show you how to do it in APA and MLA formats:

  • APA: Schlebusch, C. & Jakobsson, M. (2018). Tales of Human Migration, Admixture, and Selection in Africa. Annual Review of Genomics and Human Genetics , 11 (33), 1–24.
  • MLA: Schlebusch, Carina and Mattias Jakobsson. “Tales of Human Migration, Admixture, and Selection in Africa.” Annual Review of Genomics and Human Genetics , vol. 11, no. 33, 2018, pp. 1–24.

In strategy 1 below I’ll show you the easiest and fool proof way to write these references perfectly every time.

One last quick note: sometimes we say ‘reference’ when we mean ‘citation’. That’s pretty normal. Just roll with the punches. It’s usually pretty easy to pick up on what our teacher means regardless of whether they use the word ‘reference’ or ‘citation’.

Part 2: Why Reference in an Essay? (4 Things you Should Know)

Referencing in an essay is important. By the time you start doing 200-level courses, you probably won’t pass the course unless you reference appropriately. So, the biggest answer to ‘why reference?’ is simple: Because you Have To!

Okay let’s be serious though … here’s the four top ‘real’ reasons to reference:

1. Referencing shows you Got an Expert’s Opinion

You can’t just write an essay on what you think you know. This is a huge mistake of beginning students. Instead this is what you need to do:

Top Tip: Essays at university are supposed to show off that you’ve learned new information by reading the opinions of experts.

Every time you place a citation in your paragraph, you’re showing that the information you’re presenting in that paragraph was provided to you by an expert. In other words, it means you consulted an expert’s opinion to build your knowledge.

If you have citations throughout the essay with links to a variety of different expert opinions, you’ll show your marker that you did actually genuinely look at what the experts said with an open mind and considered their ideas.

This will help you to grow your grades.

2. Referencing shows you read your Assigned Readings

Your teacher will most likely give you scholarly journal articles or book chapters to read for homework between classes. You might have even talked about those assigned readings in your seminars and tutorials.

Great! The assigned readings are very important to you.

You should definitely cite the assigned readings relevant to your essay topic in your evaluative essay (unless your teacher tells you not to). Why? I’ll explain below.

  • Firstly, the assigned readings were selected by your teacher because your teacher (you know, the person who’s going to mark your essay) believes they’re the best quality articles on the topic. Translation: your teacher gave you the best source you’re going to find. Make sure you use it!
  • Secondly, by citing the assigned readings you are showing your teacher that you have been paying attention throughout the course. You are showing your teacher that you have done your homework, read those assigned readings and paid attention to them. When my students submit an essay that has references to websites, blogs, wikis and magazines I get very frustrated. Why would you cite low quality non-expert sources like websites when I gave you the expert’s article!? Really, it frustrates me so, so much.

So, cite the assigned readings to show your teacher you read the scholarly articles your teacher gave to you. It’ll help you grow your marks.

3. Referencing deepens your Knowledge

Okay, so you understand that you need to use referencing to show you got experts’ opinions on the topic.

But there’s more to it than that. There’s actually a real benefit for your learning.

If you force yourself to cite two expert sources per paragraph, you’re actually forcing yourself to get two separate pieces of expert knowledge. This will deepen your knowledge!

So, don’t treat referencing like a vanity exercise to help you gain more marks. Actually view it as an opportunity to develop deeper understandings of the topic!

When you read expert sources, aim to pick up on some new gems of knowledge that you can discuss in your essays. Some things you should look out for when finding sources to reference:

  • Examples that link ideas to real life. Do the experts provide real-life examples that you can mention in your essay?
  • Facts and figures. Usually experts have conducted research on a topic and provide you with facts and figures from their research. Use those facts and figures to deepen your essay!
  • Short Quotes. Did your source say something in a really interesting, concise or surprising way? Great! You can quote that source in your essay .
  • New Perspectives. Your source might give you another perspective, angle or piece of information that you can add to your paragraph so that it’s a deep, detailed and interesting paragraph.

So, the reason we ask you to reference is at the end of the day because it’s good for you: it helps you learn!

4. Referencing backs up your Claims

You might think you already know a ton of information about the topic and be ready to share your mountains of knowledge with your teacher. Great!

So, should you still reference?

Yes. Definitely.

You need to show that you’re not the only person with your opinion. You need to ‘stand on the shoulders of giants.’ Show what other sources have said about your points to prove that experts agree with you.

You should be saying: this is my opinion and it’s based on facts, expert opinions and deep, close scrutiny of all the arguments that exist out there .

If you make a claim that no one else has made, your teacher is going to be like “Have you even been reading the evidence on this topic?” The answer, if there are no citations is likely: No. You haven’t.

Even if you totally disagree with the experts, you still need to say what their opinions are! You’ll need to say: “This is the experts’ opinions. And this is why I disagree.”

So, yes, you need to reference to back up every claim. Try to reference twice in every paragraph to achieve this.

Part 3: Strategies for How to Reference in an Essay (9 Strategies of Top Students)

Let’s get going with our top strategies for how to reference in an essay! These are strategies that you probably haven’t heard elsewhere. They work for everyone – from beginner to advanced! Let’s get started:

1. Print out your Reference Style Cheat Sheet

Referencing is hard and very specific. You need to know where to place your italics, where the commas go and whether to use an initial for full name for an author.

There are so many details to get right.

And here’s the bad news: The automated referencing apps and websites nearly always get it wrong! They tell you they can generate the citation for you. The fact of the matter is: they can’t!

Here’s the best way to get referencing right: Download a referencing cheat sheet and have it by your side while writing your essay.

Your assignment outline should tell you what type of referencing you should use. Different styles include: APA Style, MLA Style, Chicago Style, Harvard Style, Vancouver Style … and many more!

You need to find out which style you need to use and download your cheat sheet. You can jump onto google to find a cheat sheet by typing in the google bar:

Download a pdf version of the referencing style cheat sheet, print it out, and place it on your pinboard or by your side when writing your essay.

2. Only cite Experts

There are good and bad sources to cite in an essay.

You should only cite sources written, critiqued and edited by experts. This shows that you have got the skill of finding information that is authoritative. You haven’t just used information that any old person popped up on their blog. You haven’t just gotten information from your local newspaper. Instead, you got information from the person who is an absolute expert on the topic.

3. Always use Google Scholar

Always. Use. Google. Scholar.

Ten years ago students only had their online university search database to find articles. Those university databases suck. They rarely find the best quality sources and there’s always a big mix of completely irrelevant sources mixed in there.

Google Scholar is better at finding the sources you want. That’s because it looks through the whole article abstract and analyses it to see if it’s relevant to your search keywords. By contrast, most university search databases rely only on the titles of articles.

Use the power of the best quality search engine in the world to find scholarly sources .

Note: Google and Google Scholar are different search engines.

To use Google Scholar, go to: https://scholar.google.com

Then, search on google scholar using keywords. I’m going to search keywords for an essay on the topic: “What are the traits of a good nurse?”

If you really like the idea of that first source, I recommend copying the title and trying your University online search database. Your university may give you free access.

4. Cite at least 50% sources you found on your Own Research

Okay, so I’ve told you that you should cite both assigned readings and readings you find from Google Scholar.

Here’s the ideal mix of assigned sources and sources that you found yourself: 50/50.

Your teacher will want to see that you can use both assigned readings and do your own additional research to write a top essay . This shows you’ve got great research skills but also pay attention to what is provided in class.

I recommend that you start with the assigned readings and try to get as much information out of them, then find your own additional sources beyond that using Google Scholar.

So, if your essay has 10 citations, a good mix is 5 assigned readings and 5 readings you found by yourself.

5. Cite Newer Sources

As a general rule, the newer the source the better .

The best rule of thumb that most teachers follow is that you should aim to mostly cite sources from the past 10 years . I usually accept sources from the past 15 years when marking essays.

However, sometimes you have a really great source that’s 20, 30 or 40 years old. You should only cite these sources if they’re what we call ‘seminal texts’. A seminal text is one that was written by an absolute giant in your field and revolutionized the subject.

Here’s some examples of seminal authors whose old articles you would be able to cite despite the fact that they’re old:

  • Education: Vygotsky, Friere, Piaget
  • Sociology: Weber, Marx, C. Wright Mills
  • Psychology: Freud, Rogers, Jung

Even if I cite seminal authors, I always aim for at least 80% of my sources to have been written in the past 10 years.

6. Reference twice per Paragraph

How much should you reference?

Here’s a good strategy: Provide two citations in every paragraph in the body of the essay.

It’s not compulsory to reference in the introduction and conclusion . However, in all the other paragraphs, aim for two citations.

Let’s go over the key strategies for achieving this:

  • These two citations should be to different sources, not the same sources twice;
  • Two citations per paragraph shows your points are backed up by not one, but two expert sources;
  • Place one citation in the first half of the paragraph and one in the second half. This will indicate to your marker that all the points in the whole paragraph are backed up by your citations.

This is a good rule of thumb for you when you’re not sure when and how often to reference. When you get more confident with your referencing, you can mix this up a little.

7. The sum total of your sources should be minimum 1 per 150 words

You can, of course, cite one source more than once throughout the essay. You might cite the same source in the second, fourth and fifth paragraphs. That’s okay.

Essay Writing Tip: Provide one unique citation in the reference list for every 150 words in the essay.

But, you don’t want your whole essay to be based on a narrow range of sources. You want your marker to see that you have consulted multiple sources to get a wide range of information on the topic. Your marker wants to know that you’ve seen a range of different opinions when coming to your conclusions.

When you get to the end of your essay, check to see how many sources are listed in the end-text reference list. A good rule of thumb is 1 source listed in the reference list per 150 words. Here’s how that breaks down by essay size:

  • 1500 word essay: 10 sources (or more) listed in the reference list
  • 2000 word essay: 13 sources (or more) listed in the reference list
  • 3000 word essay: 20 sources (or more) listed in the reference list
  • 5000 word essay: 33 sources (or more) listed in the reference list

8. Instantly improve your Reference List with these Three Tips

Here’s two things you can do to instantly improve your reference list. It takes less than 20 seconds and gives your reference list a strong professional finish:

a) Ensure the font size and style are the same

You will usually find that your whole reference list ends up being in different font sizes and styles. This is because you tend to copy and paste the titles and names in the citations from other sources. If you submit the reference list with font sizes and styles that are not the same as the rest of the essay, the piece looks really unprofessional.

So, quickly highlight the whole reference list and change its font to the same font size and style as the rest of your essay. The screencast at the end of Step 8 walks you through this if you need a hand!

b) List your sources in alphabetical order.

Nearly every referencing style insists that references be listed in alphabetical order. It’s a simple thing to do before submitting and makes the piece look far more professional.

If you’re using Microsoft Word, simply highlight your whole reference list and click the A>Z button in the toolbar. If you can’t see it, you need to be under the ‘home’ tab (circled below):

You’ve probably never heard of a hanging indent. It’s a style where the second line of the reference list is indented further from the left-hand side of the page than the first line. It’s a strategy that’s usually used in reference lists provided in professional publications.

If you use the hanging indent, your reference list will look far more professional.

9. Do one special edit especially for Referencing Style

The top students edit their essays three to five times spaced out over a week or more before submitting. One of those edits should be specifically for ensuring your reference list adheres to the referencing style that your teacher requires.

To do this, I recommend you get that cheat sheet printout that I mentioned in Step 1 and have it by your side while you read through the piece. Pay special attention to the use of commas, capital letters, brackets and page numbers for all citations. Also pay attention to the reference list: correct formatting of the reference list can be the difference between getting the top mark in the class and the fifth mark in the class. At the higher end of the marking range, things get competitive and formatting of the reference list counts.

How to Reference Essays

When you begin writing a research essay, you must take into account the format of your writing and reference pages. There are several reference styles that may be assigned to you, including MLA (Modern Language Association), APA (American Psychological Association), and Chicago. Each one has its own set of rules. There's no need to familiarize yourself with all 3 unless you have to, but you do need to learn at least one if you’re in any field involving academic writing. Here are summaries of each style to help you start your essay on the right track.

  • You will need a citation directly after every sentence (or group of sentences if you're citing the same source in multiple consecutive sentences) containing information you didn't think of yourself. These include: paraphrases, facts, statistics, quotes, and examples.
  • An in-text citation using MLA will simply have the author last name (or title if no author) followed by the page number. No comma between author and page number. For example: (Richards 456) Richards is the author last name, and 456 is the page number.
  • If you have an author name (or title, if no author) but no page number, simply use author last name (or title).

Step 2 Gather information.

  • The easiest way to keep track of MLA citations while doing research is to copy and paste copyright information into a word processing document as you go, or to write it down in a notebook.
  • Things to include for any source are author(s), date published, publisher, page number, volume and issue number, website, date accessed, anything that appears on the copyright page or indicates how to find it again. Step 3 Organize the sources.

  • As an example, the format for a standard book citation using MLA style is as follows: Last name of author, First name. Title of Book. City published: Publisher Name, Year published. Source Medium.
  • An MLA website citation looks like the following. If there's no author listed, begin citation with the name of the page: Last name, first name. "Page Title." Website Title. Publisher. Date published. Source Medium. Date accessed.
  • An MLA scholarly article citation looks like the following: Last name, First name. "Title of Article." Title of Journal . Volume.Issue (Year): page numbers. Source Medium.
  • Write the title of the main work (book, magazine, journal, website, etc.) in italics, or underline if you’re writing references by hand.
  • Chapter or article titles should be in quotation marks.

Step 4 Alphabetize the list.

  • If there is no author listed, as is common on websites, simply skip the author’s name and begin the entry with the title of the work.
  • Alphabetize by the first letter that appears in the entry, whether it has an author name or not.

Step 5 Format the Works Cited page.

  • The formatting should be in Times New Roman font, size 12, with “Works Cited” centered at the top of a new page.
  • Each entry should have hanging indent, meaning all lines below the first line are indented by half an inch.
  • Make sure there is a period after each section of the citations. A period should always end the citation.

  • For example, the format for an APA reference of a scholarly journal article is as follows: Author last name, First initial. (Year published). Article or chapter title. Step 4 Format the page.

  • Capitalize the author's last name and first initial, followed by a period.
  • Only capitalize the first word of a journal article title, unless the title contains a proper noun (called sentence case). Titles of books should preserve the published capitalization.
  • Capitalize the city of publication, and use correct state abbreviations for states. Also capitalize the name of the publisher and end the reference with a period.
  • The title of larger works, whether a book, journal, website, or magazine, is in italics (or underlined if handwriting), as is the issue number that appears right after the title. Titles for shorter works like articles and chapters should not have any indicative punctuation in an APA entry.   • A period should end all citations.

Using Chicago Manual of Style

Step 1 Cite while you write.

  • For Notes and Bibliography, you will use a superscript at the instance of each quote in the text with a corresponding footnote at the end of the page. All footnotes are compiled into endnotes at the end of the work, on the bibliography page.   • For Author Date, you will use parenthetical in-text citations that include author last name and year published, using no punctuation between name and year. The full version of each parenthetical citation is listed alphabetically on the references page. For example: (Simon 2011) Simon is the author last name, and 2011 is the year.
  • You will need a citation directly after every sentence (or group of sentences if you're using the same source for multiple consecutive sentences) containing information you didn't think of yourself. These include: paraphrases, facts, statistics, quotes, and examples.

Step 2 Gather information.

  • If using a book, write down all pertinent information found on the copyright page, including the name of the publisher and the city and year of publication.
  • For other sources, look for this information near the title of the piece you’re looking at. Publication date is often at the bottom of webpages.

Step 3 Use Notes and Bibliography if instructed.

  • Title your references page “Bibliography” centered at the top of the page. Leave 2 blank lines between this title and the first entry, and one blank line between entries.
  • Notes and Bibliography style uses footnotes for page endings and endnotes for chapter endings. The bibliography page will be an alphabetized list of all sources in hanging indent.
  • An example format for a book is as follows: Last name, First name. Book Title . City: Publisher, Year.
  • An example format for a chapter in a print scholarly journal is as follows: Author last name, first name. "Title of Chapter or Article." Book or journal Title Issue Number (Year): Page number range. (For an online scholarly journal article, tack on the following at the end: Date accessed. URL address.)
  • When there is no known author, the entry should begin with the title of the document, whether it's a webpage, chapter, article, and so on.
  • When there are multiple authors, the first listed author appears last name, first name, so that the citation is alphabetized by this author's last name. Subsequent authors are listed by first name, like this: Alcott, Louisa May, Charles Dickens, and Elizabeth Gaskell.
  • Always end a citation with a period.

Step 4 Use Author Date if instructed.

  • When using Author Date style, title your references page “References” centered at the top of the page. Leave 2 blank lines between this title and the first entry, and 1 blank line between entries.
  • Author Date style bibliographies should be organized alphabetically by last name (or by title if no author) in hanging indent.
  • An example format for a book is as follows: Last name, first name. Year. Book Title . City Published: Publisher.
  • An example format for a chapter in a print scholarly journal is as follows: Author last name, first name. Year. "Title of Chapter or Article." Book or journal title issue number: page numbers. (for an online scholarly journal article tack this onto the end: Date accessed. URL address.)

Referencing explained

Why and when to reference.

Referencing is an important part of academic work. It puts your work in context, demonstrates the breadth and depth of your research, and acknowledges other people’s work. You should reference whenever you use someone else’s idea.

Why reference?

Referencing correctly:

  • helps you to avoid plagiarism by making it clear which ideas are your own and which are someone else’s
  • shows your understanding of the topic
  • gives supporting evidence for your ideas, arguments and opinions
  • allows others to identify the sources you have used.

When to reference

Whenever you use an idea from someone else's work, for example from a journal article, textbook or website, you should cite the original author to make it clear where that idea came from. This is the case regardless of whether you have paraphrased, summarised or directly quoted their work. This is a key part of good practice in academic writing.

The University referencing policy (PDF) sets out the referencing requirements that all taught students and tutors are expected to follow.

Each school in the University requires students to use a specific style of referencing. Check the referencing style used in your school before you begin.

All your citations and references should match the style you are using exactly, including any punctuation, capitalisation, italics and bold, and you should use the same referencing style throughout your assignment.

Understanding How, When and Why to Reference

Learn how to acknowledge your sources of information

It is important that you acknowledge your sources of information in your academic writing. This allows you to clearly show how the ideas of others have influenced your own work. You should provide a citation (and matching reference) in your essay every time you use words, ideas or information from other sources.  If you would like to learn how, when and why to reference by watching a video, you can do so on Capstone Editing's YouTube channel .

Why reference?

Not referencing correctly can be perceived as plagiarism. It is expected and required at the university level that all your assignments will contain references. Otherwise, you are saying that the essay is made up entirely of your own original ideas, and that you have not engaged critically in any way with the literature. A passing grade requires that you use a minimum number of references (check your assignment marking criteria or ask your lecturer), and a good grade requires many more references than this. The purpose of referencing is to demonstrate the depth and breadth of your research, to show that you have read and engaged with the ideas of experts in your field. It also allows you to give credit to the writers from whom you have borrowed words or ideas. For your reader, referencing allows them to trace the sources of information you have used and to verify the validity of your work. For this reason, your referencing must be accurate and provide all necessary details to allow your reader to locate the source. It is therefore a good idea to keep careful records of all the sources you accessed when researching your assignment. This way, you do not have to hunt for these details after you have finished writing.  

How to incorporate the ideas of others into your essay

It can be difficult for new academic writers to know how to incorporate others’ work into their own writing. By learning how to use quotations effectively, and how to summarise and paraphrase the words and ideas of others, you can better avoid unintentional plagiarism. 

A quotation is a word-for-word reproduction of someone else’s words, either spoken or written. When quoting from another source, you must: 

  • Exception: For long quotations (e.g. over 40 words in APA or over 30 words in Harvard), indent the quotation instead of using quotation marks. The quotation should be introduced by a colon and followed by a citation. 
  • Use quotation marks even if only borrowing a single phrase or word from another source. 
  • Exception: If the source does not have numbered pages (e.g. a website, an interview), no page number is needed. However, if there is some other way of pointing to the specific location from which the quotation was taken (e.g. paragraph number, clause number, line in transcript), include that in the citation. 

Quotations should be logically integrated into your text. One way to do this is to lead into the quotation or paraphrase by using the author’s name (e.g. ‘According to Lines,’) followed by the quotation from Lines or a summary of Lines’s ideas. 

Quotations must fit grammatically into your text. It is allowable to modify quotations slightly to ensure a good fit. However, it is essential that these changes are clearly marked using square brackets ([ ]). It is also possible to omit words from a quotation, shown using an ellipsis (…). Note that if you omit words, you must be sure that the original meaning of the quotation is retained. You should never omit words to change the meaning of a quotation. 

The below examples show ways to integrate the original quotation ‘Most of the time, they don’t, and I mean really don’t, behave well’, showing changes to 1) the verb and 2) a pronoun. Notice the use of the square brackets to show your modifications to the quotation, and the ellipsis to show omitted words. 

  • The teacher reported that the children were not ‘behav[ing] well’.
  • According to the teacher, ‘Most of the time, [the children] don’t … behave well’. 

Finally, you should avoid using quotations that have not been adequately introduced. If a quotation is inserted without appropriate integration into your text, this can negatively affect the logical and grammatical flow of your work, and lower the quality of your writing. Not introducing quotations or incorporating them into your own sentences usually also means you are relying too heavily on the words of others, and your grades can suffer as a result.

Summarising and paraphrasing

Another option for integrating others’ ideas into your own assignments is by summarising and paraphrasing. Summarising means giving an overview of the main ideas in condensed form. Paraphrasing means putting an idea (usually in detail) into your own words.  

To summarise or paraphrase well, you need to read carefully and understand the ideas in the source. Then, you can think about what those ideas mean in the context of your assignment and write them in your own words, integrating them well into your own writing. If you take sentences completely from the original source and just change a few words, this is not paraphrasing, and may be considered plagiarism. 

For some students, the temptation to use a source’s original wording is high. To avoid this, after reading and understanding the author’s ideas, write just the keywords on a separate piece of paper. See if you can change some of the keywords to other words, while keeping the original meaning. Then, think about whether you can reorganise the order of the keywords, to write sentences that keep the original meaning, but that are quite different to the original. Using your keywords, and without referring to the original source, write your new sentences. It takes a while at first, but the process becomes automatic with practice. 

The importance of writing in your own words

Putting others’ work into your own words will not only ensure the material is effectively integrated into your writing, it also demonstrates to your reader (e.g. your lecturer) that you have understood, absorbed and interpreted the information. This is a key purpose of essay writing at university and will help you to get a better grade. In addition, the better you get at putting complex ideas into your own words, the more developed your writing style will become. 

Acknowledge every source

Remember that the need to reference is not limited to academic sources like books and journal articles. You need to reference ALL words, ideas or information taken from ANY source. 

These sources might include: 

  • books and journal articles
  • newspapers and magazines
  • pamphlets or brochures
  • films, documentaries, television programs or advertisements
  • computer programs
  • diagrams, illustrations, charts or pictures
  • letters or emails
  • personal interviews
  • lecturers or tutors. (This is not always necessary, but check with your lecturer or tutor about his or her preferences before you draw on his or her ideas.)

Note that if the source you are citing is retrievable (i.e. can be located by another person using the information you provide in the reference list), you must provide a reference for the source. However, if the source is only available to you (e.g. a personal interview or email, or a private Facebook post), you should cite all necessary details in the text, but should not provide a reference in the reference list. ONLY irretrievable sources are not included in the reference list, and even these are still cited in the text. 

The only times you would not reference are:

  • when referring to your own observations (e.g. a report on a field trip) or experiment results
  • when writing about your own experiences (e.g. a reflective journal)
  • when writing your own thoughts, comments or conclusions in an assignment
  • when evaluating or offering your own analysis (e.g. parts of a critical review)
  • when using ‘common knowledge’ (facts that can be found in numerous places and are likely to be known by a lot of people) or folklore
  • when using generally accepted facts or information (this will vary in different disciplines of study. If in doubt, ask your tutor).

The Harvard referencing style (also known as ‘author-date’) is commonly used at TUS Midwest. There are two elements to the Harvard referencing style. This means when you reference using the Harvard system, you have to do two things: 

  • Include an author-date citation each time you refer to a source in the body of your essay. Note: also, include the page number if it is a direct quotation.
  • Compile a complete reference list of all the sources that you cited throughout your essay on a separate page at the end of your essay. Note: this list must be in alphabetical order according to the first author's surname.

In summary, when you are writing up your college projects, you must remember to acknowledge the other authors you are using in two places:

  • in the text of your assignment (in-text citations), and,
  • at the end of your assignment (reference list).

If you have used the author’s exact words (direct quotation) or the author’s ideas (paraphrasing) from a book, journal article, etc. you must acknowledge this in your text. This is referred to as in-text citing:

In-text citations give the brief (abbreviated) details of the work that you are quoting from, or to which you are referring in your text. These citations will then link to the full reference in the reference list at the end of your work, which is arranged in alphabetical order by author (Pears and Shields, 2019, p.7).

Author prominent citing  This citation method gives prominence to the author’s surname (family name) as part of your sentence with the date and page number in parentheses (round brackets).  Note : The page number is necessary if you are quoting directly. 

Information prominent citing This citation method gives prominence to the information with the required referencing details in parentheses at the end of the citation.

Author(s) name

  • For one author, use surname of author only. There is no need to include initials. Example - (Barr, 2016, p. 22)
  • For two authors, use both authors’ surnames linked by ‘and’.  Example - (Tabrizi and Rahmani, 2021, p. 13).
  • For three or more authors, use the first author’s surname and et al.   Example - (O'Neill  et al ., 2019, p. 120). 
  • Give full four digits for the year.

Quotations should be used sparingly, selected carefully, used in context, integrated into your text, and reproduced exactly (including the words, spelling, punctuation, capitalisation and paraphrasing of the original writer).  Short quotations Short quotations (fewer than 30 words) should:

  • be incorporated into your sentence without disrupting the flow of your paragraph,
  • have single quotation marks,
  • have the full stop after the citation, and,
  • keep the same font size.

Long quotations   Long quotations (more than 30 words) should:

  • be introduced in your own words,
  • begin on a new line,
  • be fully indented by default (i.e. 1.27 cm) from the left margin,
  • be in single line spacing.

Separate the quotation from the lead-in statement with one blank line. The lead-in statement ends with a colon(:). Separate the quotation from the text that follows it with one blank line.

Quotation marks

  • Quotation marks are not used for longer quotations.
  • When using an information prominent long quotation, the full stop is included after the last sentence of the quotation after the citation.

Words omitted from quotations

  • To omit unnecessary words from quotations, use an ellipsis … (3 dots). Note: Make sure the quotation still has the same meaning.
  • If the quotation does not begin at the start of a sentence, an ellipsis should be used to convey this.

When you cite someone else’s work, you must state the author/editor and the date of publication. If the work has two authors/editors, you must cite both names. Don't forget to include page numbers for direct quotations.  There is no need to include the title, place of publication etc. These details are listed in the reference list at the end of your essay .  

For a work that has three or more authors/editors, the abbreviation, et al . is used after the first author’s name. 

For a work that has the same author/editor, and was written in the same year as an earlier citation, you must use a lower case letter after the date to differentiate between the two. 

Citing from books with chapters written by different authors  Some books may contain chapters written by several different authors. In this case the author who wrote the chapter should be cited not the editor of the book.

If you are reading a source by one author, for example, Garvey (2019) and he cites or quotes the work of another author, for example, Taylor (1996) you may cite or quote the original work, Taylor (1996) as a secondary reference. Note: It is always best practice to try and locate the original reference and secondary references should only be used if it is difficult to access the original work

Example In-text citation: Taylor’s observations (1996, cited in Garvey, 2019) are based on a genuine respect for nature.  OR  ‘Every living thing has a good of its own’ (Taylor, 1996, quoted in Garvey, 2019, p. 53).

Reference List: Garvey, J. (2019) The ethics of climate change: right and wrong in a warming world . London: Continuum.

Charts, images, figures etc. should be treated as direct quotations in that the author/editor, year and page number should be acknowledged in-text, and the full reference to the item should be listed in the reference list.

A Quick Guide to Harvard Referencing | Citation Examples

Referencing is an important part of academic writing. It tells your readers what sources you’ve used and how to find them.

Harvard is the most common referencing style used in UK universities. In Harvard style, the author and year are cited in-text, and full details of the source are given in a reference list .

A Harvard in-text citation appears in brackets beside any quotation or paraphrase of a source. It gives the last name of the author(s) and the year of publication, as well as a page number or range locating the passage referenced, if applicable:

Note that ‘p.’ is used for a single page, ‘pp.’ for multiple pages (e.g. ‘pp. 1–5’).

An in-text citation usually appears immediately after the quotation or paraphrase in question. It may also appear at the end of the relevant sentence, as long as it’s clear what it refers to.

When your sentence already mentions the name of the author, it should not be repeated in the citation:

When you cite a source with up to three authors, cite all authors’ names. For four or more authors, list only the first name, followed by ‘ et al. ’:

Sources with no page numbers

Some sources, such as websites , often don’t have page numbers. If the source is a short text, you can simply leave out the page number. With longer sources, you can use an alternate locator such as a subheading or paragraph number if you need to specify where to find the quote:

Multiple citations at the same point

When you need multiple citations to appear at the same point in your text – for example, when you refer to several sources with one phrase – you can present them in the same set of brackets, separated by semicolons. List them in order of publication date:

If you cite multiple sources by the same author which were published in the same year, it’s important to distinguish between them in your citations. To do this, insert an ‘a’ after the year in the first one you reference, a ‘b’ in the second, and so on:

A bibliography or reference list appears at the end of your text. It lists all your sources in alphabetical order by the author’s last name, giving complete information so that the reader can look them up if necessary.

The reference entry starts with the author’s last name followed by initial(s). Only the first word of the title is capitalised (as well as any proper nouns).

As with in-text citations, up to three authors should be listed; when there are four or more, list only the first author followed by ‘ et al. ’:

Reference list entries vary according to source type, since different information is relevant for different sources. Formats and examples for the most commonly used source types are given below.

  • Entire book
  • Book chapter
  • Translated book
  • Edition of a book

Journal articles

  • Print journal
  • Online-only journal with DOI
  • Online-only journal with no DOI
  • General web page
  • Online article or blog
  • Social media post

Sometimes you won’t have all the information you need for a reference. This section covers what to do when a source lacks a publication date or named author.

No publication date

When a source doesn’t have a clear publication date – for example, a constantly updated reference source like Wikipedia or an obscure historical document which can’t be accurately dated – you can replace it with the words ‘no date’:

Note that when you do this with an online source, you should still include an access date, as in the example.

When a source lacks a clearly identified author, there’s often an appropriate corporate source – the organisation responsible for the source – whom you can credit as author instead, as in the Google and Wikipedia examples above.

When that’s not the case, you can just replace it with the title of the source in both the in-text citation and the reference list:

Harvard referencing uses an author–date system. Sources are cited by the author’s last name and the publication year in brackets. Each Harvard in-text citation corresponds to an entry in the alphabetised reference list at the end of the paper.

Vancouver referencing uses a numerical system. Sources are cited by a number in parentheses or superscript. Each number corresponds to a full reference at the end of the paper.

A Harvard in-text citation should appear in brackets every time you quote, paraphrase, or refer to information from a source.

The citation can appear immediately after the quotation or paraphrase, or at the end of the sentence. If you’re quoting, place the citation outside of the quotation marks but before any other punctuation like a comma or full stop.

In Harvard referencing, up to three author names are included in an in-text citation or reference list entry. When there are four or more authors, include only the first, followed by ‘ et al. ’

Though the terms are sometimes used interchangeably, there is a difference in meaning:

  • A reference list only includes sources cited in the text – every entry corresponds to an in-text citation .
  • A bibliography also includes other sources which were consulted during the research but not cited.

This resourse, revised according to the 7 th  edition APA Publication Manual, offers basic guidelines for formatting the reference list at the end of a standard APA research paper. Most sources follow fairly straightforward rules. However, because sources obtained from academic journals  carry special weight in research writing, these sources are subject to special rules . Thus, this page presents basic guidelines for citing academic journals separate from its "ordinary" basic guidelines. This distinction is made clear below.

Note:  Because the information on this page pertains to virtually all citations, we've highlighted one important difference between APA 6 and APA 7 with an underlined note written in red.  For more information, please consult the   Publication Manual of the American Psychological Association , (7 th  ed.).

Formatting a Reference List

Your reference list should appear at the end of your paper. It provides the information necessary for a reader to locate and retrieve any source you cite in the body of the paper. Each source you cite in the paper must appear in your reference list; likewise, each entry in the reference list must be cited in your text.

Your references should begin on a new page separate from the text of the essay; label this page "References" in bold, centered at the top of the page (do NOT underline or use quotation marks for the title). All text should be double-spaced just like the rest of your essay.

Basic Rules for Most Sources

  • All lines after the first line of each entry in your reference list should be indented one-half inch from the left margin. This is called hanging indentation.
  • All authors' names should be inverted (i.e., last names should be provided first).
  • For example, the reference entry for a source written by Jane Marie Smith would begin with "Smith, J. M."
  • If a middle name isn't available, just initialize the author's first name: "Smith, J."
  • Give the last name and first/middle initials for all authors of a particular work up to and including 20 authors ( this is a new rule, as APA 6 only required the first six authors ). Separate each author’s initials from the next author in the list with a comma. Use an ampersand (&) before the last author’s name. If there are 21 or more authors, use an ellipsis (but no ampersand) after the 19th author, and then add the final author’s name.
  • Reference list entries should be alphabetized by the last name of the first author of each work.
  • For multiple articles by the same author, or authors listed in the same order, list the entries in chronological order, from earliest to most recent.
  • Note again that the titles of academic journals are subject to special rules. See section below.
  • Italicize titles of longer works (e.g., books, edited collections, names of newspapers, and so on).
  • Do not italicize, underline, or put quotes around the titles of shorter works such as chapters in books or essays in edited collections.

Basic Rules for Articles in Academic Journals

  • Present journal titles in full.
  • Italicize journal titles.
  • For example, you should use  PhiloSOPHIA  instead of  Philosophia,  or  Past & Present   instead of  Past and Present.
  • This distinction is based on the type of source being cited. Academic journal titles have all major words capitalized, while other sources' titles do not.
  • Capitalize   the first word of the titles and subtitles of   journal articles , as well as the   first word after a colon or a dash in the title, and   any proper nouns .
  • Do not italicize or underline the article title.

Please note:  While the APA manual provides examples of how to cite common types of sources, it does not cover all conceivable sources. If you must cite a source that APA does not address, the APA suggests finding an example that is similar to your source and using that format. The guidelines for citing an essay in MLA format are similar to those for citing a chapter in a book. Include the author of the essay, the title of the essay, the name of the collection if the essay belongs to one, the editor of the collection or other contributors, the publication information, and the page number(s).

To cite your sources in an essay in MLA style, you need to have basic information including the author’s name(s), chapter title, book title, editor(s), publication year, publisher, and page numbers. The templates for in-text citations and a works-cited-list entry for essay sources and some examples are given below:

In-text citation template and example:

For citations in prose, use the first name and surname of the author on the first occurrence. For subsequent citations, use only the surname(s). In parenthetical citations, always use only the surname of the author(s).

Citation in prose:

First mention: Annette Wheeler Cafarelli

Subsequent occurrences: Wheeler Cafarelli

Parenthetical:

….(Wheeler Cafarelli).

Works-cited-list entry template and example:

The title of the chapter is enclosed in double quotation marks and uses title case. The book or collection title is given in italics and uses title case.

To cite an essay in MLA style, you need to have basic information including the author(s), the essay title, the book title, editor(s), publication year, publisher, and page numbers. The templates for citations in prose, parenthetical citations, and works-cited-list entries for an essay by multiple authors, and some examples, are given below:

"Write an essay and back it up with facts."

How many times have you heard a teacher or professor say this? But many students might wonder what exactly counts as a fact, and what doesn't. That means they don't know when it is proper to cite a source, and when it's OK not to use a citation.

Dictionary.com states that a fact is:

  • Something demonstrated to exist or known to have existed.

"Demonstrated" is a hint here. What the teacher means when she/he tells you to use facts is that you need to back up your claims with some evidence that supports your claims (sources). It's one trick that teachers use to make sure you actually use some references when you write a paper, instead of simply offering a list of your opinions.

This may sound easy, but it's actually tough sometimes to know when you need to back up a statement with evidence and when it is fine to leave a statement unsupported.

When to Cite a Source

You should use evidence ( citations ) any time you make a claim that is not based on a well-known fact or common knowledge. Here's a list of situations when your teacher would expect a citation:

  • You make a specific claim that could be challenged--like London is the foggiest city in the world. 
  • You quote somebody.
  • You make a specific claim that is not common knowledge like the Indian Ocean is the youngest of the world's major oceans.
  • You paraphrase information from a source (give the meaning but change the wording).
  • Offer an authoritative (expert) opinion--like "germs cause pneumonia."
  • You got an idea from somebody else, even through email or conversation.

Although there may be interesting facts that you have believed or know for many years, you will be expected to provide proof of those facts when you're writing a paper for school.

Examples of Claims You Should Support

  • Hot water can freeze faster than cold water.
  • Poodles are friendlier than Dalmatians.
  • American Chestnut trees are nearly extinct.
  • Eating while driving is more dangerous than talking on the cell phone while driving.
  • Thomas Edison invented a vote counter.

When You Don't Need to Cite a Source

So how do you know when you do not need to cite a source? Common knowledge is basically a fact that practically everyone knows, like the fact that George Washington was a U.S. president.

More Examples of Common Knowledge or Well-Known Facts

  • Bears hibernate in the winter.
  • Fresh water freezes at 32 degrees F.
  • Many trees shed their leaves in the fall.
  • Some trees do not shed their leaves in the fall.
  • Bears hibernate.

A well-known fact is something that many people know, but it is also something that a reader could look up easily if he/she didn't know.

  • It's best to plant flowers in the early spring.
  • Holland is famous for its tulips.
  • Canada has a multilingual population.

If you're not really certain about something being common knowledge, you could give it the little sister test. If you have a younger sibling, ask him or her the subject you're pondering. If you get an answer, it could be common knowledge!

A Good Rule of Thumb

A good rule of thumb for any writer is to go ahead and use a citation when you're not certain whether or not the citation is necessary. The only risk in doing this is littering your paper with unnecessary citations that will drive your teacher crazy. Too many citations will give your teacher the impression that you are attempting to stretch your paper to a certain word count!

Simply trust your own best judgment and be honest with yourself. You'll get the hang of it soon!

Your Published Writing

If you have published your writing outside of the Walden classroom—in a journal or even in a local newsletter or blog—and would like to reuse portions of it or refer to the findings or ideas in that work, you will need to cite yourself.

If you are considering reusing your previously submitted Walden coursework in a new course or term, review the following best practice and policy sections.

Best Practices for Reusing Work

  • During your studies at Walden, you may write on the same topic for a second, third, or fourth time; regardless, your writing should reflect new approaches and insights into that topic to demonstrate intellectual growth.
  • Your writing submitted for previous Walden courses will show up in the Turnitin Similarity Report when reused. Contact your faculty if you plan to reuse your work to avoid concerns about possible plagiarism. Additionally, you could cite your unpublished writing (see How to Cite Your Unpublished Work below).

The following comes from the Walden Student Code of Conduct :

Walden Students’ Use of Their Own Scholarly Work

  • Students may reuse their work without an expectation that previously awarded grades or credit will attach to the new assignment. Any work previously published by the student must be appropriately cited if reused. 
  • Field Experience Exception: Any assignments or documentation submitted related to field experience (work, hours, client or patient logs, etc) must be new, current, accurate, and relate to clients or patients seen during the term and in direct reference to the assignment.

How to Cite Your Unpublished Work

Although not required in the policy above, in rare instances, you may need to or want to cite your unpublished Walden coursework.

If you cite or quote your previous work, treat yourself as the author and your own written document as the source. For example, if Marie Briggs wanted to cite a paper she wrote at Walden in 2022, her citation might look like this:

Briggs (2022) asserted that previous literature on the psychology of tightrope walkers was faulty in that it "presumed that risk-taking behaviors align neatly with certain personality traits or disorders" (p. 4).

And in the reference list:

Briggs, M. (2022). An analysis of personality theory [Unpublished manuscript]. Walden University.

Around the country, school and university students are hitting the books in preparation for exams. If you are in this position, you may find yourself trying to memorise information that you first learned a long time ago and have completely forgotten – or that you didn’t actually learn effectively in the first place.

Unfortunately, cramming is a very inefficient way to properly learn. But sometimes it’s necessary to pass an exam. And you can incorporate what we know about how learning works into your revision to make it more effective.

A great deal of research evidence on how memory works over time shows that we forget new information very quickly at first, after which the process of forgetting slows down.

In practice, this means that very compressed study schedules lead to a catastrophic amount of forgetting.

A better option is to space out learning a particular topic more gradually and over a longer period. This is called the “spacing effect” and it leads to skills and knowledge being retained better, and for longer.

Research has found that we remember information better when we leave a gap of time between first studying something and revisiting it, rather than doing so straight away. This even works for short timescales – a delay of a few seconds when trying to learn a small piece of information, such as a pair of words, for instance. And it also works when the delay between study sessions is much longer .

In the classroom , spacing out practice could mean reviewing and practising material the next day, or delaying homework by a couple of weeks, rather than revisiting it as soon as possible. As a rule, psychologists have suggested that the best time to re-study material is when it is on the verge of being forgotten – not before, but also not after.

But this isn’t how things are learned across the school year. When students get to exam time, they have forgotten much of what was previously studied.

Better cramming

When it comes to actually learning – being able to remember information over the long term and apply it to new situations – cramming doesn’t work. We can hardly call it “learning” if information is forgotten a month later. But if you need to pass an exam, cramming can lead to a boost in temporary performance. What’s more, you can incorporate the spacing effect into your cramming to make it more efficient.

It’s better to space practising knowledge of a particular topic out over weeks, so if you have that long before a key exam, plan your revision schedule so you cover topics more than once. Rather than allocating one block of two hours for a particular topic, study it for one hour this week and then for another hour in a week or so’s time.

If you don’t have that much time, it’s still worth incorporating smaller gaps between practice sessions. If your exam is tomorrow, practice key topics in the morning today and then again in the evening.

Learning is also more effective if you actively retrieve information from your memory, rather than re-reading or underlining your notes. A good way to do this, incorporating the spacing effect, is to take practice tests. Revise a topic from your notes or textbook, take a half-hour break, and then take a practice test without help from your books.

An even simpler technique is a “brain dump” . After studying and taking a break, write down everything you can remember about the topic on a blank sheet of paper without checking your notes.

Change the way we teach

A shift in teaching practices may be needed to avoid students having to cram material they only half-remember before exams.

But my research suggests that teachers tend to agree with the idea that consolidation of a topic should happen as soon as possible, rather than spacing out practice in ways that would actually be more effective.

Teachers are overburdened and make heroic efforts with the time they have. But incorporating the spacing effect into teaching needn’t require radical changes to how teachers operate. Often, it’s as simple as doing the same thing on a different schedule .

Research has shown the most effective way to combine practice testing and the spacing effect is to engage in practice testing in the initial class, followed by at least three practice opportunities at widely spaced intervals. This is quite possible within the typical pattern of the school year.

For example, after the initial class, further practice could come via a homework task after a few days’ delay, then some kind of test or mock exam after a further gap of time. The revision period before exams would then be the third opportunity for consolidation.

Building effective self-testing and delayed practice into education would spell less stress and less ineffective cramming. Exam time would be for consolidation, rather than re-learning things that have been forgotten. The outcome would be better long-term retention of important knowledge and skills. As a bonus, school students would also gain a better insight into how to study effectively.

What is ChatGPT?

ChatGPT is an AI chatbot with natural language processing (NLP) that allows you to have human-like conversations to complete various tasks. The  generative AI  tool can answer questions and assist you with tasks such as composing emails, essays, code, and more.

It's currently  open to use for free . A paid subscription version called ChatGPT Plus launched in February 2023 with access to priority access to OpenAI's latest models and updates.

Who made ChatGPT?

AI startup OpenAI launched ChatGPT on November 30, 2022. OpenAI has also developed  DALL-E 2  and DALL-E 3 , popular  AI image generators , and Whisper, an automatic speech recognition system. 

Who owns ChatGPT currently?

OpenAI owns ChatGPT. Microsoft is a major investor in OpenAI thanks to multiyear, multi-billion dollar  investments. Elon Musk was an investor when OpenAI was first founded in 2015, but has since completely severed ties with the startup and created his own AI chatbot, Grok .

How can you access ChatGPT?

On April 1, 2024, OpenAI stopped requiring you to log in to use ChatGPT. Now, you can access ChatGPT simply by visiting  chat.openai.com . You can also access ChatGPT  via an app on your iPhone  or  Android  device.

Once you visit the site, you can start chatting away with ChatGPT. A great way to get started is by asking a question, similar to what you would do with Google. You can ask as many questions as you'd like.

Is there a ChatGPT app?

Yes, an official ChatGPT app is available for both iPhone and Android users.

Make sure to download OpenAI's app, as there are a plethora of copycat fake apps listed on Apple's App Store and the Google Play Store that are not affiliated with the startup.

Is ChatGPT available for free?

ChatGPT is free to use, regardless of what you use it for, including writing, coding, and much more. 

There is a subscription option , ChatGPT Plus, that users can take advantage of that costs $20/month. The paid subscription model guarantees users extra perks, such as priority access to GPT-4o and the latest upgrades.

Although the subscription price may seem steep, it is the same amount as Microsoft Copilot Pro and Google One AI, Microsoft's and Google's premium AI offerings. 

The free version is still a solid option as it can access the same model and most of the same perks. One major exception: only subscribers get guaranteed access to GPT-4o when the model is at capacity. 

I tried using ChatGPT and it says it's at capacity. What does that mean?

The ChatGPT website operates using servers. When too many people hop onto these servers, they may overload and can't process your request. If this happens to you, you can visit the site later when fewer people are trying to access the tool. You can also keep the tab open and refresh it periodically.

If you want to skip the wait and have reliable access, you can subscribe to  ChatGPT Plus  for general access during peak times, faster response times, and priority access to new features and improvements, including priority access to GPT-4o.

You can also try using Bing's AI chatbot, Copilot . This chatbot is free to use, runs on GPT-4, has no wait times, and can access the internet for more accurate information.

What is ChatGPT used for?

ChatGPT has many functions in addition to answering simple questions. ChatGPT can compose essays , have philosophical conversations, do math, and even code for you . 

The tasks ChatGPT can help with also don't have to be so ambitious. For example, my favorite use of ChatGPT is for help creating basic lists for chores, such as packing and grocery shopping, and to-do lists that make my daily life more productive. The possibilities are endless.

Can ChatGPT generate images?

Yes, ChatGPT can generate images, but only for ChatGPT Plus subscribers. Since OpenAI discontinued DALL-E 2 in February 2024, the only way to access its most advanced AI image generator, DALL-E 3, through OpenAI's offerings is via its chatbot and ChatGPT Plus subscription.

Microsoft's Copilot offers image generation, which is also powered by DALL-E 3, in its chatbot for free. This is a great alternative if you don't want to shell out the money for ChatGPT Plus.

How does ChatGPT work?

ChatGPT runs on a large language model (LLM) architecture created by OpenAI called the  Generative Pre-trained Transformer  (GPT). Since its launch, the free version of ChatGPT ran on a fine-tuned model in the GPT-3.5 series until May 2024, when the startup upgraded the model to GPT-4o.

With a subscription to ChatGPT Plus , you can access GPT-3.5, GPT-4, or  GPT-4o . Plus, users also have the added perk of priority access to GPT-4o, even when it is at capacity, while free users get booted down to GPT-3.5. 

Generative AI models of this type are trained on vast amounts of information from the internet, including websites, books, news articles, and more.

What does ChatGPT stand for?

As mentioned above, the last three letters in ChatGPT's namesake stand for Generative Pre-trained Transformer (GPT), a family of large language models created by OpenAI that uses deep learning to generate human-like, conversational text.

Is ChatGPT better than a search engine?

ChatGPT is a language model created to converse with the end user. A search engine indexes web pages on the internet to help users find information. One is not better than the other, as each suit different purposes. 

When searching for as much up-to-date, accurate information as you can access, your best bet is a search engine. It will provide you with pages upon pages of sources you can peruse.

As of May, the free version of ChatGPT can get responses from both the GPT-4o model and the web. It will only pull its answer from, and ultimately list, a handful of sources, as opposed to showing nearly endless search results.

For example, I used GPT-4o to answer, "What is the weather today in San Francisco?" The response told me it searched four sites and provided links to them. 

If you are looking for a platform that can explain complex topics in an easy-to-understand manner, then ChatGPT might be what you want. If you want the best of both worlds, there are plenty of AI search engines on the market that combine both.

What are ChatGPT's limitations?

Despite its impressive capabilities, ChatGPT still has limitations. Users sometimes need to reword questions multiple times for ChatGPT to understand their intent. A bigger limitation is a lack of quality in responses, which can sometimes be plausible-sounding but are verbose or make no practical sense. 

Instead of asking for clarification on ambiguous questions, the model guesses what your question means, which can lead to poor responses. Generative AI models are also subject to hallucinations, which can result in inaccurate responses.

Does ChatGPT give wrong answers?

As mentioned above, ChatGPT, like all language models, has  limitations  and can give nonsensical answers and incorrect information, so it's important to double-check the data it gives you.

OpenAI recommends that you provide feedback on what ChatGPT generates by using the thumbs-up and thumbs-down buttons to improve its underlying model. You can even join the startup's Bug Bounty program , which offers up to $20,000 for reporting security bugs and safety issues.

Can ChatGPT refuse to answer my prompts?

AI systems like ChatGPT can and do reject  inappropriate requests . The AI assistant can identify inappropriate submissions to prevent the generation of unsafe content.

These submissions include questions that violate someone's rights, are offensive, are discriminatory, or involve illegal activities. The ChatGPT model can also challenge incorrect premises, answer follow-up questions, and even admit mistakes when you point them out.

These guardrails are important. AI models can generate advanced, realistic content that can be exploited by bad actors for harm, such as spreading misinformation about public figures and influencing elections .

Can I chat with ChatGPT?

Although some people use ChatGPT for elaborate functions, such as writing code or even malware , you can use ChatGPT for more mundane activities, such as having a friendly conversation.

Some conversation starters could be as simple as, "I am hungry, what food should I get?" or as elaborate as, "What do you think happens in the afterlife?" Either way, ChatGPT is sure to have an answer for you. 

Is ChatGPT safe?

People are expressing concerns about AI chatbots replacing or atrophying human intelligence. For example, a chatbot can write an article on any topic efficiently (though not necessarily accurately) within seconds, potentially eliminating the need for human writers.

Chatbots can also write an entire essay within seconds, making it easier for students to cheat or avoid learning how to write properly. This even led  some school districts to block access  when ChatGPT initially launched.

Now, not only have many of those schools decided to unblock the technology, but some higher education institutions have been  catering their academic offerings  to AI-related coursework. 

Another concern with AI chatbots is the possible spread of misinformation. ChatGPT itself says: "My responses are not intended to be taken as fact, and I always encourage people to verify any information they receive from me or any other source." OpenAI also notes that ChatGPT sometimes writes "plausible-sounding but incorrect or nonsensical answers."

Lastly, there are ethical concerns regarding the information ChatGPT was trained on, since the startup scraped the internet to train the chatbot. 

It also automatically uses people's interactions with the free version of the chatbot to further train its models, raising privacy concerns. OpenAI lets you turn off training in ChatGPT's settings.

Does ChatGPT plagiarize?

Yes, sort of. OpenAI scraped the internet to train ChatGPT. Therefore, the technology's knowledge is influenced by other people's work. Since there is no guarantee that when OpenAI outputs its answers it is entirely original, the chatbot may regurgitate someone else's work in your answer, which is considered plagiarism. 

Is there a ChatGPT detector?

Concerns about students using AI to cheat mean the need for a ChatGPT text detector is becoming more evident. 

In January 2023, OpenAI released a free tool to target this problem. Unfortunately, OpenAI's "classifier" tool could only correctly identify 26% of AI-written text with a "likely AI-written" designation. Furthermore, it provided false positives 9% of the time, incorrectly identifying human-written work as AI-produced. 

The tool performed so poorly  that, six months after being released, OpenAI it shut down "due to its low rate of accuracy." Despite the tool's failure, the startup claims to be researching more effective techniques for AI text identification.

Other AI detectors exist on the market, including GPT-2 Output Detector ,  Writer AI Content Detector , and Content at Scale's AI Content Detection  tool. ZDNET put these tools to the test, and the results were underwhelming: all three were found to be unreliable sources for spotting AI, repeatedly giving false negatives. What are the common signs something was written by ChatGPT?

Although tools aren't sufficient for detecting ChatGPT-generated writing, a  study  shows that humans could detect AI-written text by looking for politeness. The study's results indicate that  ChatGPT's writing style is extremely polite . And unlike humans, it cannot produce responses that include metaphors, irony, or sarcasm.

Will my conversations with ChatGPT be used for training?

One of the major risks when using generative AI models is that they become more intelligent by being trained on user inputs. Therefore, when familiarizing yourself with how to use ChatGPT, you might wonder if your specific conversations will be used for training and, if so, who can view your chats.

OpenAI will use your conversations with the free chatbot to automatically training data to refine its models. You can opt out of the startup using your data for model training by clicking on the question mark in the bottom left-hand corner, Settings, and turning off "Improve the model for everyone."

What is GPT-4?

GPT-4 is OpenAI's language model that is much more advanced than its predecessor, GPT-3.5. Users can access GPT-4 by subscribing to ChatGPT Plus for $20 per month or using Microsoft's Copilot.

GPT-4 has advanced intellectual capabilities, meaning it outperforms GPT-3.5 in a series of simulated benchmark exams. The newer model also supposedly produces fewer hallucinations. 

What is GPT-4o?

GPT-4o is OpenAI's latest, fastest, and most advanced flagship model. As the name implies, it has the same intelligence as GPT-4. However, the "o" in the title stands for "omni," referring to its multimodal capabilities, which allow it to understand text, audio, image, and video inputs and output text, audio, and image outputs.

The model is 50% cheaper in the API than GPT-4 Turbo while still matching its English and coding capabilities and outperforming it in non-English languages, vision, and audio understanding -- a big win for developers.

Despite ChatGPT's extensive abilities, there are major downsides to the AI chatbot. If you want to try the technology, there are plenty of other options: Copilot , Claude , Perplexity ,  Jasper , and more.  

Is ChatGPT smart enough to pass benchmark exams?

Yes, ChatGPT is capable of passing a series of benchmark exams. A professor at Wharton, the University of Pennsylvania's business school, used ChatGPT to take an MBA exam and the results were quite impressive. 

ChatGPT not only passed the exam, but the tool scored between a B- and a B. The professor, Christian Terwiesch, was impressed at its basic operations management, process analysis questions, and explanations.

OpenAI also tested the chatbot's ability to pass benchmark exams. Although ChatGPT could pass many of these benchmark exams, its scores were usually in the lower percentile. However, with GPT-4, ChatGPT can score much higher.

For example, ChatGPT using GPT-3.5 scored in the lower 10th percentile of a simulated Bar Exam, while GPT-4 scored in the top 10th percentile. You can see more examples from OpenAI in the chart below.

Can ChatGPT be used for job application assistance?

Yes, ChatGPT is a great resource to help with job applications. Undertaking a job search can be tedious and difficult, and ChatGPT can help you lighten the load. ChatGPT can build your resume  and write a cover letter .

What are the most common ChatGPT plugins, and how do I use them?

Plugins allowed ChatGPT to connect to third-party applications, including access to real-time information on the web. The plugins expanded ChatGPT's abilities , allowing it to assist with many more activities, such as planning a trip or finding a place to eat.

On March 19, 2024, however, OpenAI stopped allowing users to install new plugins or start new conversations with existing ones. Instead, OpenAI replaced plugins with GPTs , which are easier for developers to build. 

Users can find 3 million ChatGPT chatbots, also known as GPTs, on the GPT store. Unfortunately, there is also a lot of spam in the GPT store.

What is Microsoft's involvement with ChatGPT?

Microsoft was an early investor in OpenAI, the AI startup behind ChatGPT, long before ChatGPT was released to the public. Microsoft's first involvement with OpenAI was in 2019, when the company invested $1 billion, and then another $2 billion in the years after. In January 2023, Microsoft extended its partnership with OpenAI through a multiyear, multi-billion dollar investment .

How does Copilot compare to ChatGPT?

Many of us can’t imagine starting the day without a cup of coffee. One reason may be that it supplies us with a jolt of caffeine, a mild stimulant to the central nervous system that quickly boosts our alertness and energy levels. [1] Of course, coffee is not the only caffeine-containing beverage. Read on to learn more about sources of caffeine, and a review of the research on this stimulant and health.

Absorption and Metabolism of Caffeine

The chemical name for the bitter white powder known as caffeine is 1,3,7 trimethylxanthine. Caffeine is absorbed within about 45 minutes after consuming, and peaks in the blood anywhere from 15 minutes to 2 hours. [2] Caffeine in beverages such as coffee, tea, and soda is quickly absorbed in the gut and dissolves in both the body’s water and fat molecules. It is able to cross into the brain. Food or food components, such as fibers, in the gut can delay how quickly caffeine in the blood peaks. Therefore, drinking your morning coffee on an empty stomach might give you a quicker energy boost than if you drank it while eating breakfast.

Caffeine is broken down mainly in the liver. It can remain in the blood anywhere from 1.5 to 9.5 hours, depending on various factors. [2] Smoking speeds up the breakdown of caffeine, whereas pregnancy and oral contraceptives can slow the breakdown. During the third trimester of pregnancy, caffeine can remain in the body for up to 15 hours. [3]

People often develop a “caffeine tolerance” when taken regularly, which can reduce its stimulant effects unless a higher amount is consumed. When suddenly stopping all caffeine, withdrawal symptoms often follow such as irritability, headache, agitation, depressed mood, and fatigue. The symptoms are strongest within a few days after stopping caffeine, but tend to subside after about one week. [3] Tapering  the amount gradually may help to reduce side effects.

Sources of Caffeine

Caffeine is naturally found in the fruit, leaves, and beans of coffee , cacao, and guarana plants. It is also added to beverages and supplements. There is a risk of drinking excess amounts of caffeinated beverages like soda and energy drinks because they are taken chilled and are easy to digest quickly in large quantities.

  • Coffee. 1 cup or 8 ounces of brewed coffee contains about 95 mg caffeine. The same amount of instant coffee contains about 60 mg caffeine. Decaffeinated coffee contains about 4 mg of caffeine. Learn more about coffee .
  • Espresso. 1 shot or 1.5 ounces contains about 65 mg caffeine.
  • Tea. 1 cup of black tea contains about 47 mg caffeine. Green tea contains about 28 mg. Decaffeinated tea contains 2 mg, and herbal tea contains none. Learn more about tea .
  • Soda. A 12-ounce can of regular or diet dark cola contains about 40 mg caffeine. The same amount of Mountain Dew contains 55 mg caffeine.
  • Chocolate (cacao) . 1 ounce of dark chocolate contains about 24 mg caffeine, whereas milk chocolate contains one-quarter of that amount.
  • Guarana. This is a seed from a South American plant that is processed as an extract in foods, energy drinks, and energy supplements. Guarana seeds contain about four times the amount of caffeine as that found in coffee beans. [4] Some drinks containing extracts of these seeds can contain up to 125 mg caffeine per serving.
  • Energy drinks. 1 cup or 8 ounces of an energy drink contains about 85 mg caffeine. However the standard energy drink serving is 16 ounces, which doubles the caffeine to 170 mg.   • Supplements. Caffeine supplements contain about 200 mg per tablet, or the amount in 2 cups of brewed coffee.

Recommended Amounts

In the U.S., adults consume an average of 135 mg of caffeine daily, or the amount in 1.5 cups of coffee (1 cup = 8 ounces). [5] The U.S. Food and Drug Administration considers 400 milligrams (about 4 cups brewed coffee) a safe amount of caffeine for healthy adults to consume daily. However, pregnant women should limit their caffeine intake to 200 mg a day (about 2 cups brewed coffee), according to the American College of Obstetricians and Gynecologists.

The American Academy of Pediatrics suggests that children under age 12 should not consume any food or beverages with caffeine. For adolescents 12 and older, caffeine intake should be limited to no more than 100 mg daily. This is the amount in two or three 12-ounce cans of cola soda.

Caffeine and Health

Caffeine is associated with several health conditions. People have different tolerances and responses to caffeine, partly due to genetic differences. Consuming caffeine regularly, such as drinking a cup of coffee every day, can promote caffeine tolerance in some people so that the side effects from caffeine may decrease over time. Although we tend to associate caffeine most often with coffee or tea, the research below focuses mainly on the health effects of caffeine itself. Caffeine can block the effects of the hormone adenosine, which is responsible for deep sleep . Caffeine binds to adenosine receptors in the brain, which not only lowers adenosine levels but also increases or decreases other hormones that affect sleep, including dopamine, serotonin, norepinephrine, and GABA. [2] Levels of melatonin, another hormone promoting sleep, can drop in the presence of caffeine as both are metabolized in the liver. Caffeine intake later in the day close to bedtime can interfere with good sleep quality. Although developing a caffeine tolerance by taking caffeine regularly over time may lower its disruptive effects, [1] those who have trouble sleeping may consider minimizing caffeine intake later in the day and before going to bed.

In sensitive individuals, caffeine can increase anxiety at doses of 400 mg or more a day (about 4 cups of brewed coffee). High amounts of caffeine may cause nervousness and speed up heart rate, symptoms that are also felt during an anxiety attack. Those who have an underlying anxiety or panic disorder are especially at risk of overstimulation when overloading on caffeine.

Caffeine stimulates the heart, increases blood flow, and increases blood pressure temporarily, particularly in people who do not usually consume caffeine. However, strong negative effects of caffeine on blood pressure have not been found in clinical trials, even in people with hypertension, and cohort studies have not found that coffee drinking is associated with a higher risk of hypertension. Studies also do not show an association of caffeine intake and atrial fibrillation (abnormal heart beat), heart disease , or stroke. [3]

Caffeine is often added to weight loss supplements to help “burn calories.” There is no evidence that caffeine causes significant weight loss. It may help to boost energy if one is feeling fatigued from restricting caloric intake, and may reduce appetite temporarily. Caffeine stimulates the sympathetic nervous system, which plays a role in suppressing hunger, enhancing satiety, and increasing the breakdown of fat cells to be used for energy. [6] Cohort studies following large groups of people suggest that a higher caffeine intake is associated with slightly lower rates of weight gain in the long term. [3] However, a fairly large amount of caffeine (equivalent to 6 cups of coffee a day) may be needed to achieve a modest increase in calorie “burn.” Additional calories obtained from cream, milk, or sweetener added to a caffeinated beverage like coffee or tea can easily negate any calorie deficit caused by caffeine.

Caffeine can cross the placenta, and both mother and fetus metabolize caffeine slowly. A high intake of caffeine by the mother can lead to prolonged high caffeine blood levels in the fetus. Reduced blood flow and oxygen levels may result, increasing the risk of miscarriage and low birth weight. [3] However, lower intakes of caffeine have not been found harmful during pregnancy when limiting intakes to no more than 200 mg a day. A review of controlled clinical studies found that caffeine intake, whether low, medium, or high doses, did not appear to increase the risk of infertility. [7]

Most studies on liver disease and caffeine have specifically examined coffee intake. Caffeinated coffee intake is associated with a lower risk of liver cancer, fibrosis, and cirrhosis. Caffeine may prevent the fibrosis (scarring) of liver tissue by blocking adenosine, which is responsible for the production of collagen that is used to build scar tissue. [3]

Studies have shown that higher coffee consumption is associated with a lower risk of gallstones. [8] Decaffeinated coffee does not show as strong a connection as caffeinated coffee. Therefore, it is likely that caffeine contributes significantly to this protective effect. The gallbladder is an organ that produces bile to help break down fats; consuming a very high fat diet requires more bile, which can strain the gallbladder and increase the risk of gallstones. It is believed that caffeine may help to stimulate contractions in the gallbladder and increase the secretion of cholecystokinin, a hormone that speeds the digestion of fats.

Caffeine may protect against Parkinson’s disease. Animal studies show a protective effect of caffeine from deterioration in the brain. [3] Prospective cohort studies show a strong association of people with higher caffeine intakes and a lower risk of developing Parkinson’s disease. [9]

Caffeine has a similar action to the medication theophylline, which is sometimes prescribed to treat asthma. They both relax the smooth muscles of the lungs and open up bronchial tubes, which can improve breathing. The optimal amount of caffeine needs more study, but the trials reviewed revealed that even a lower caffeine dose of 5 mg/kg of body weight showed benefit over a placebo. [10] Caffeine has also been used to treat breathing difficulties in premature infants. [3]

Caffeine stimulates the release of a stress hormone called epinephrine, which causes liver and muscle tissue to release its stored glucose into the bloodstream, temporarily raising blood glucose levels. However, regular caffeine intake is not associated with an increased risk of diabetes . In fact, cohort studies show that regular coffee intake is associated with a lower risk of type 2 diabetes , though the effect may be from the coffee plant compounds rather than caffeine itself, as decaffeinated coffee shows a similar protective effect. [3] Other observational studies suggest that caffeine may protect and preserve the function of beta cells in the pancreas, which are responsible for secreting insulin. [11]

Signs of Toxicity

Caffeine toxicity has been observed with intakes of 1.2 grams or more in one dose. Consuming 10-14 grams at one time is believed to be fatal. Caffeine intake up to 10 grams has caused convulsions and vomiting, but recovery is possible in about 6 hours. Side effects at lower doses of 1 gram include restlessness, irritability, nervousness, vomiting, rapid heart rate, and tremors.

Toxicity is generally not seen when drinking caffeinated beverages because a very large amount would need to be taken within a few hours to reach a toxic level (10 gm of caffeine is equal to about 100 cups of brewed coffee). Dangerous blood levels are more often seen with overuse of caffeine pills or tablets. [3]

  • Caffeine can interact with various medications. It can cause your body to break down a medication too quickly so that it loses its effectiveness. It can cause a dangerously fast heart beat and high blood pressure if taken with other stimulant medications. Sometimes a medication can slow the metabolism of caffeine in the body, which may increase the risk of jitteriness and irritability, especially if one tends to drink several caffeinated drinks throughout the day. How to Live Forever

A friend of mine knew a wealthy man who had decided to live forever. That made him hard to be around, my friend told me, in an e-mail, because he was “always dropping to the floor to do ab crunches or running out for bottles of water or falling asleep or outgassing Chinese herbs.” Immortality is attractive to rich people because simple arithmetic shows that if they live a normal lifespan they won’t have time to spend enough of their money. Peter Thiel , the billionaire venture capitalist, has expressed interest in receiving blood transfusions from young donors, an intervention that apparently adds weeks to the lives of laboratory mice. Jeff Bezos’s chiselled physique suggests a similar concern. The longevity evangelist Bryan Johnson, who sold a company he’d started to PayPal for eight hundred million dollars, wears a device that monitors the quality of his nighttime erections.

Life extension is a trade-off, though. You have to weigh the time you stand to gain against the time you lose while trying to gain it. When Jackie Onassis learned that she was dying, of non-Hodgkin’s lymphoma, she is said to have regretted having done so many pushups. There’s also the discouraging fact that extra years, if any, come at the end of life, when even many rich people have begun to think about winding down. A wealthy bridge partner of mine, now deceased, told me as she approached ninety that she was already feeling a bit bored.

Einstein wrote that “the distinction between past, present, and future is only a stubbornly persistent illusion.” He presumably didn’t mean that, after death, he expected to travel back and forth through his life, as though riffling the pages of a book. Or maybe he did. At any rate, his statement hints at a better strategy, one that I myself have practiced for decades. The simplest, most foolproof way to extend life is to do so backward, by adding years in reverse.

During the summer of 1975, following my sophomore year in college, I got a job as a secretary at a book-publishing company in New York. My main task was typing letters from editors to authors. I used a typewriter, because there were no personal computers yet, and to create duplicates I used copy sets, which were sandwiches of carbon paper and thin regular paper. Carbon paper—for those too young to have any idea what I’m talking about—is paper or plastic film that is coated on one side with semi-gelatinous ink; when you press something against the un-inked side, the inked side leaves a mark. Carbon paper barely exists nowadays, except at some rental-car counters and in the etymology of the “cc” (which stands for “carbon copy”) in e-mails. At my publishing job, I placed a copy set behind a sheet of letterhead and rolled the two together into my machine. When I’d finished typing, I had an original plus one or two flimsy but legible facsimiles, for filing.

That same summer, inspired by my job, I began using carbon paper to make duplicates of my own letters. I was writing a lot of poetry at the time, and I believed that the copies would be useful to my biographers, whom I assumed I’d have someday. I gave up on poetry and literary immortality a year or two later, but I continued making carbons, and I saved letters that people wrote to me. Because of the pack-rat instincts of various members of my family, I also have the letters I wrote home from summer camp; the letters my father wrote home from the Second World War; the letters my wife, whose name is Ann Hodgman, wrote to my parents before and after we got married; the letters Ann’s mother wrote to her father when they were dating; and thousands of other letters, documents, e-mails, and texts. In recent years, I have digitized most of that stuff, so that I can search it.

When I was in high school, I tried several times to keep a diary—again, thinking of my biographers—but I was never able to stick with it for more than a week or two. This is a common problem. A dozen years ago, I found a diary that my daughter, Laura, had started when she was ten. It had a pink cover, more than a hundred ruled pages, and a lock on the front, which she hadn’t locked. The entry on the first page was about her piano lessons. It said:

EXTRA MINUTES PRACTICED Wednesday—1 min. Saturday—8 min.

All the other pages were blank.

Soon after I had begun making copies of my letters, I realized that if I saved them in chronological order I’d have the equivalent of a diary. I eventually bought an electric hole punch and filled many three-ring binders. In the late eighties, I started another kind of quasi-diary by making a written record on my computer of funny or interesting things my children had said or done. I got that idea when Laura was three and her brother, John, was in utero, but I was able to extend the entries back to the day of Laura’s birth by inserting material from letters I’d saved. I called it my “kid diary,” and I kept it going, with several lapses, for about ten years. The completed text contains almost ninety thousand words and is, by far, my favorite thing I’ve ever written. It’s the one thing I would save if I could save only one.

Of course, most of the real work on my kid diary was done not by me but by my kids. Laura, at four: “Dave, is cheese vegetables, or what is it?” (She began calling me Dave when she was three, and John eventually did the same.) John, at almost six: “God didn’t make people, Dave. Monkeys did.” Laura’s favorite feature in the children’s magazine Highlights was the advice column, and she used to make up readers’ questions and the editors’ replies. When she was four and a half, I overheard her, in the playroom, pretending to read aloud from a recent issue:

When I go to school I have a hole in my pants near my penis. My friends call me “penis-puh.” What should I do? Tom. I understand how you feel, Tom. Ignore your friends and find a nice quiet place where you can concentrate. Raise your hand if your friends have a problem with your penis.

Me, when John was two and a half:

My mother was reading John one of his dinosaur books and leaving out occasional paragraphs, so that she could get him to bed quicker, but he caught her. “You did not say ‘fleet-footed,’ ” he said.

Me again, when John was in kindergarten:

Yesterday, John sat at the kitchen table writing ransom notes, with spelling provided by Ann. One of his notes read “INQUISITIVE PERSON. 1,000,000 DOLLARS.” To write his notes, he put on snow boots, knee pads, and non-matching mittens.

Laura, when she was four:

Why am I not a grownup? I’ve been here for so many years.

And so on, for three hundred and fifty typed pages. I’m now keeping track, on a smaller scale, of funny or interesting things that my grandchildren have said or done. Alice, the eldest, when she was three: “Mom, I’m just going to relax and ring this bell.”

The final stages of Alzheimer’s disease have been described as living death: if you can’t remember your life, can you truly be said to be alive? I worry about that, of course, but I also worry about perfectly ordinary memory loss, which shortens a life more subtly, by allowing great swaths of it to leak away. My memory works pretty well, but writing things down has made it work better, and many of my favorite moments from the past forty years exist only because I kept a record. My kid diary has lengthened my life just as surely as rolling back my biological age would have, and it has done so without ab crunches, pushups, or erection monitoring. It has also lengthened the lives of Ann, Laura, and John, as well as reminding Ann and me that our children’s childhoods didn’t go by in a blur, as parents often feel when they look back. A friend told me recently, “If G.P.S. had existed from the time I got my driver’s license, I would have lived an entire second lifetime with the time I’d have saved not getting lost.” That’s the same idea, more or less.

Preserve too much, though, and you’d recreate the dilemma that Jorge Luis Borges explores in his story “Funes the Memorious,” from 1942. The title character is a young man who, after being thrown from a horse, discovers that he now remembers literally everything. “Two or three times he had reconstructed a whole day; he never hesitated, but each reconstruction had required a whole day,” the narrator explains. Funes “knew by heart the forms of the southern clouds at dawn on the 30th of April, 1882, and could compare them in his memory with the mottled streaks on a book in Spanish binding he had only seen once.” He’s so entranced by his new ability that he doesn’t realize it has impaired him. “To think is to forget differences, generalize, make abstractions,” the narrator reflects. “In the teeming world of Funes, there were only details, almost immediate in their presence.”

Funes is a fictional character, but there are real people with a similar ability. One of them is Jill Price, who can remember her life, from childhood on, in extraordinary detail. In her autobiography, “ The Woman Who Can’t Forget ,” she writes, “My memories are like scenes from home movies of every day of my life, constantly playing in my head, flashing forward and backward through the years relentlessly, taking me to any given moment, entirely of their own volition.” Price was the first person to receive a diagnosis of hyperthymestic syndrome, later renamed highly superior autobiographical memory, or HSAM . Both terms were coined by James McGaugh and his colleagues at the University of California, Irvine, where, starting in 2000, Price was studied extensively. Researchers would mention a news event, and without hesitating she would give them the date and the day of the week it occurred, or they would give her a date and she would give them an event. “And she was flawless,” McGaugh told me recently. He asked her if she knew what had happened to Bing Crosby . She said that he died on a golf course in Spain on Friday, October 14, 1977, when she was eleven. She remembered because his death had been mentioned on a news program she’d heard on the car radio that day, as her mother was driving her to soccer practice.

Price has been, at times, an obsessive journal-keeper, and some people have wondered whether she had simply memorized the entries. But she abandoned her journal on several occasions, once for years, then changed her mind and filled in the hundreds of missing days retrospectively, entirely out of her head. She makes the journals to tame the flood of her recollections, which she views as a torment. “If I didn’t write things down, I would get a swimming feeling in my head and would become emotionally overwhelmed,” she explains in her book.

McGaugh and his team eventually identified about a hundred people with HSAM . One is the actress and author Marilu Henner, who starred on the television show “Taxi” and was fired by Donald Trump on “The Celebrity Apprentice.” Henner, unlike Price, revels in her ability. “It’s something that makes me feel really good, and I can’t imagine not having it,” she told me. “My siblings will say, ‘Come on, Mar, do a week from our childhood.’ ” Henner’s book “ Total Memory Makeover ,” which was published in 2012, is an effort by her to help the rest of us develop what she refers to as our “brain muscle”—a desirable goal, since she agrees with me that memory can be a powerful time-expander and longevity-increaser. “By really exploring your past, or remembering it in some way, you get a piece of your life back,” she said. “Your life becomes longer and richer, and kind of stretches in the middle.”

Henner describes a good autobiographical memory as “a line of defense against meaninglessness.” For those of us who, unlike her, can’t do it all in our heads, old letters, diaries, and photographs are indispensable aide-mémoire. On Presidents’ Day in 1988, Laura came home from nursery school and said, “Abraham Lincoln was shot!” I said, “I know, honey,” and she said, “But I’m keeping him alive in my thoughts. Emmy is keeping him alive in her thoughts, too.” She and Emmy, a classmate, were three years old at the time, so they probably wouldn’t remember today that they had taken on that chore if I hadn’t written it down.

My mother will turn ninety-five in June. She was my family’s principal historian until I took over the position. She made two photo albums for me as I was growing up. The first covered my birth through sixth grade, and the second covered junior high through college. She invented analog image-enhancing techniques that anticipated, by decades, digital tools that are now standard: using nail-scissors and glue to replace my brother’s frowning face with a smiling one in our Christmas card from 1966, when he was four; using an X-Acto knife to give me a haircut and to slice an uninteresting background from a family photo a decade later; eliminating red-eye with a black Flair pen. I studied both my photo albums so often over the years that they began to fall apart. I have now preserved them by extracting the original pages and placing them in individual sleeves in large archival portfolios.

For many people, documenting family life in this way is no more appealing than doing pushups or ab crunches. But I don’t think of it that way, and neither did my mother. “I have been pasting my scrapbooks,” she wrote to Ann and me in 1980. “I get more fascinated with them every day. I don’t know when I’ve had a project I’ve enjoyed so much.” For her, documenting the history of our family was an immersive hobby, like making quilts (my sister), photographing birds (my brother), or gardening and playing ice hockey (Ann). By the time I graduated from college, my mother was mainly researching genealogies, writing reminiscences, and organizing ancestral photographs, documents, and ephemera. I’ve relied on her work several times when researching things that I’ve written, most recently an essay about her own family.

Nowadays, producing and saving images is so easy that few people bother with paper prints, photo albums, or even cameras. They hold up their phone and click away, hoping to end up with something decent, which they then post on Facebook or Instagram or whatever. But a digital camera roll containing thousands of unsorted, unedited, contextless images is not an intelligible narrative of a life. Turning the pages of a physical book is a different experience from swiping a finger across a screen, and, if you don’t store your memories on paper, you allow your past to be held hostage by a potentially obsolete digital format or by Google’s unpredictable commitment to the cloud.

I’ve made dozens of physical photo albums, first by gluing paper prints and other mementos into the kinds of blank scrapbooks my mother used, and, then, since 2006, by uploading images to companies that produce paper photo books. (My favorite is Mixbook .) In addition to making annual family scrapbooks, I’ve documented vacations, visits by grandchildren, moments from the life of a friend who had just died, two years that Ann and her parents spent living in Germany when she was a baby and her father was a U.S. Army doctor, the history of the place we visit every summer on Martha’s Vineyard, the wedding of our guinea pig and one of our dogs, and trips that my father’s parents took between the nineteen-forties and the nineteen-sixties. The project that I’m the proudest of is a hybrid: two eleven-by-fourteen volumes containing the complete text of my kid diary, illustrated with several hundred corresponding snapshots.

At some point during COVID , I realized that I could create a truly comprehensive chronicle of my life if I consolidated all the best parts of my hoard of digitized text into a single document. The result is a million and a half words long, and it grows by roughly five hundred words a day. My goal is to come as close as I can to a day-by-day record—but not one like Jill Price’s, which consists mostly of brief mentions of things like the weather, the names of TV shows she watched, and what errands she ran. I’m trying to do what Elmore Leonard said he tried to do with his novels: leave out the parts that readers skip. I’m the only reader so far, and I may be the only reader ever, but I don’t want even my own interest to flag. I haven’t added photographs yet, but someday I will.

One of my richest sources of material in recent years has been a small e-mail group that my wife and I are part of. It began around 1996 (no one remembers exactly when), and currently includes ten participants. We’re all within ten years in age: the youngest were in their thirties when we started; the oldest are in their seventies now. All but one or two of us are self-employed. Most are writers. In the early months, I often worried that the others would lose interest and disappear, but the group has never been in serious danger of disbanding, and the lineup has barely changed. No member has died yet, although one spouse died last year. Two children and eight grandchildren have been born. Several children have married. All the parents who were alive when we started have now died, except for Ann’s mother and my mother. Despite our long history, the ten of us have never all been in the same room at the same time, except online. The first full in-person gathering, if there ever is one, will probably be a funeral.

Ten people who’ve spent almost three decades getting to know one another turns out to be the ideal configuration for a social network; it’s the scale at which Facebook and X would feel like life-enhancing communities of human beings, rather than ego-driven, soul-destroying, democracy-undermining time-sucks. Our e-mail exchanges are the kinds of conversations that people who have worked together for years sometimes have over lunch or cocktails—and our exchanges are mostly coherent, even grammatical. I used to brood that civilization had suffered a huge loss when people switched from sending paper letters to sending e-mails, but I now think the real loss occurred when people switched from sending e-mails to sending texts, which young people in particular tend to fire off in bursts of unpunctuated sentence fragments. E-mails are actually superior to paper letters in many ways, because they easily accommodate thoughtful, extended multi-user back-and-forth, in real time.

In the early years of our group, it somehow almost never occurred to me to save anything. Eventually, though, I began preserving notable e-mails, which I later combined into PDFs. I now copy funny or interesting passages as they arrive, and paste them into my burgeoning chronicle—including that line I quoted at the beginning of this essay about outgassing Chinese herbs, and the later one about G.P.S. and getting lost. Also this, from Ann:

I helped at the Epiphany pageant at another church yesterday. The girl who played Mary carried a doll. After the pageant, she said, “Jesus looks hella real.” . . . I recently gave blood at the school she goes to. Two students, a girl and a boy, were staffing the snack table. An older boy who had just donated came and sat down. The girl told him, “We saw your blood.”

And this, from me:

I woke up at 3:00 this morning and lay awake for a long time. I would have thought I never fell back asleep except that I know Henry [our poodle] can’t talk. He told me that he thought some ants that were crawling inside a rotten tree trunk looked as though they were carrying parachutes. I didn’t think it was odd that he was talking—just odd that he would describe ant eggs that way.

I’ve also saved many serious, poignant, and distressing discussions—of life, work, children, pets, politics, religion, marriage, divorce, cancer, everything. Many of those discussions unfolded over days, and almost all of them are too personal to share with strangers. My solipsistic record has thus evolved into more than the story of my own life, and is now also a steadily growing group autobiography. Every so often, I’ll quote something back to the others and, even if it’s just a couple of years old, it usually turns out that everyone has forgotten it.

Someday, I’ll turn my archives over to my children and grandchildren. I hope they’ll be interested in at least some of it, because it’s important for young people to be reminded that old people had pre-decrepit existences. But I would continue collecting, organizing, and preserving even if I knew that no one but me would ever look. Thinking about my life and the history of my family is interesting to me—just as it was for my mother—and I agree with Marilu Henner, who writes, “We all owe it to ourselves as living beings to take full advantage of our own experiences.” My preservation projects have given me a nearly Einsteinian view of time and mortality. I picture myself in a nursing home—not soon, I hope!—surrounded by photo books and letters and e-mail excerpts and portable hard drives, busily adding images to text, reading and rereading everything, creating compilations of compilations, contentedly living forever, backward and forward, until the end. ♦

Answer: When asked to provide professional references during your job search, it's essential to approach the right people and make your request thoughtfully and professionally. Here’s how you can effectively ask a former boss or co-worker for a recommendation:

◾ Identify suitable references : Choose individuals who can provide a positive endorsement and speak specifically to your recent roles, skills, work ethic and achievements. This could be a former boss, co-worker, senior leader, or mentor.

◾ Reach out professionally : You can make your request verbally, via email, or through LinkedIn. Use a professional tone and make your request clear and concise.

◾ Promote a culture of acceptance and respect: Model and encourage a workplace culture that values acceptance, inclusion and respect. Regularly communicate the importance of these values in team meetings and one-on-one interactions. Acknowledge and celebrate the diversity within your team. This could include recognizing various cultural holidays and events, which can help build mutual respect and understanding.

Clinical Testing and Diagnosis for Hepatitis B

  • CDC published updated recommendations among adults for hepatitis B screening and testing in 2023 that are complementary to the 2022 Advisory Committee on Immunization Practices (ACIP) vaccine recommendations for hepatitis B.
  • The recommendations consider a simpler and less stigmatizing implementation strategy than previous risk-based hepatitis B virus (HBV) screening recommendations among adults.

Why it’s important

More than half of people with hepatitis B are unaware of their infection status, and approximately 50%–70% of people with acute hepatitis B are asymptomatic 1 . Without testing, people with hepatitis B virus (HBV) infection can unknowingly transmit the virus to others.

Chronic HBV infection can lead to substantial morbidity and mortality but is detectable before the development of severe liver disease using reliable and inexpensive screening tests. Routine monitoring and treatment for chronic HBV infection can reduce morbidity and mortality, supporting the importance of early detection of HBV infection.

In addition, although not quantifiable, management of chronic infection through prevention efforts can prevent further transmission to others.

How to make decisions on whether to test or screen.

Screening generally refers to serologic testing of asymptomatic people not known to be at increased risk for exposure to HBV.

Testing generally refers to serologic testing of people with symptoms or those who are at increased risk for exposure to HBV.

CDC recommends screening all adults aged 18 and older for hepatitis B at least once in their lifetime using a triple panel test. To ensure increased access to testing, anyone who requests HBV testing should receive it regardless of disclosure of risk. Many people might be reluctant to disclose stigmatizing risks.

CDC recommends testing all infants born to HBsAg-positive people for HBsAg and antibody to hepatitis B surface antigen (anti-HBs) seromarkers.

Pregnant people

CDC recommends HBV screening for HBsAg for all pregnant people during each pregnancy, preferably in the first trimester, regardless of vaccination status or history of testing. Pregnant people with a history of appropriately timed triple panel screening without subsequent risk for exposure to HBV (no new HBV exposures since triple panel screening) only need HBsAg screening.

People at increased risk

CDC recommends testing susceptible people periodically, regardless of age, with ongoing risk for exposures while risk for exposures persists. This includes:

  • People with a history of sexually transmitted infections or multiple sex partners.
  • People with history of past or current HCV infection.
  • People incarcerated or formerly incarcerated in a jail, prison, or other detention setting.
  • Infants born to HBsAg-positive people.
  • People born in regions  with HBV infection prevalence of 2% or more.
  • US-born people not vaccinated as infants whose parents were born in  geographic regions  with HBsAg prevalence of 8% or more.
  • People who inject drugs or have a history of injection drug use.
  • People with human immunodeficiency virus (HIV) infection.
  • Men who have sex with men.
  • Household contacts or former household contacts of people with known HBV infection.
  • People who have shared needles with or engaged in sexual contact with people with known HBV infection.
  • People on maintenance dialysis, including in-center or home hemodialysis and peritoneal dialysis.
  • People with elevated liver enzymes.

Susceptible people include those who have never been infected with HBV and either did not complete a hepatitis B vaccine (HepB) series per ACIP recommendations or who are known to be vaccine nonresponders.

Recommended tests

CDC now* recommends use of the triple panel test, which includes testing for:

  • Total antibody to hepatitis B core antigen (total anti-HBc)

Any periodic follow-up testing can use tests as appropriate based on the results of the triple panel.

*Prior guidance recommended a single test of HBsAg.

How to interpret test results

Different serologic markers or combinations of markers are used to identify different phases of HBV infection. They determine whether a patient has acute or chronic HBV infection, is immune to HBV as a result of prior infection or vaccination, or is susceptible to infection. Markers include:

  • HBsAg : HBsAg is a protein on the surface of HBV that can be detected in high levels in serum during acute or chronic HBV infection. The presence of HBsAg indicates that the person is infectious, except when it might be transiently positive within 30 days after a dose of HepB vaccine. The body normally produces antibodies to HBsAg as part of the normal immune response to infection. HBsAg is the antigen used to make HepB vaccine.
  • Anti-HBs : The presence of anti-HBs is generally interpreted as indicating recovery and immunity from HBV infection. Anti-HBs also develops in a person who has been successfully vaccinated against hepatitis B. Among vaccine responders who complete a vaccine series, anti-HBs levels can decline over time; however, the majority remain immune and will mount a response when exposed to HBV.
  • Anti-HBc : Anti-HBc appears at the onset of symptoms in acute hepatitis B, is a measure of both immunoglobulin M (IgM) and immunoglobulin G (IgG), and persists for life. The presence of total anti-HBc indicates previous or ongoing infection with HBV in an undefined time frame. People who have immunity to hepatitis B from a vaccine do not develop anti-HBc.
  • IgM anti-HBc : IgM anti-HBc positivity indicates recent infection with HBV (within less than 6 months). Its presence indicates acute infection. IgM anti-HBc should be ordered only when acute HBV infection is a concern.

How to diagnose hepatitis B

The presence of the total anti-HBc antigen is needed to diagnose a patient with a hepatitis B infection. The results of the HBsAg, anti-HBs, and IgM anti-HBc tests indicate a patient’s type of hepatitis B and if they have developed immunity.

What to do next

CDC recommends that people who are diagnosed with hepatitis B be provided with:

  • Medical evaluation (by either a primary care clinician or specialist for chronic liver diseases) including treatment and monitoring.
  • Supportive care for their symptoms as needed.

Reporting cases

The National Notifiable Diseases Surveillance System (NNDSS) lists acute, chronic, and perinatal hepatitis B as nationally notifiable conditions.

You should report cases of suspected health care-associated HBV infection to state and local public health authorities for prompt investigation and response.

When you report a case, you will need an event code corresponding to the hepatitis B condition. You can reclassify cases if needed, as long as the changes occur before surveillance data are finalized each year.

  • Perinatal hepatitis B : 10104
  • Chronic hepatitis B: 10105

In 2024, The Council of State and Territorial Epidemiologists updated the surveillance case definitions for acute and chronic hepatitis B (HBV). These definitions are used to determine how to classify and report cases to the CDC. Surveillance data is in turn used to monitor trends in disease incidence, understand the burden of hepatitis B in the community, determine risk behaviors or exposures, identify outbreaks, and assess opportunities for prevention.
