Presentations can also be used to celebrate an event. For example, a farewell presentation of a colleague can be used to narrate the story of his/her overall tenure, experiences and achievement in the organisation.

Main Elements of Presentation

A presentation is said to be effective if it has three main elements, which are as follows:

  • Specific content : This refers to the information that a presentation will comprise. The information must be conveyed effectively so that it is absorbed by the audience in one sitting. It should be relevant and meaningful to them.
  • Audience : A presentation should be targeted for a specific group of audience who share the same purpose and have a similar level of pre-knowledge.
  • Presenter: The presenter should act as the advocate of the information. If his/her conviction and passion in the message are clearly articulated, the audience will also pay attention to the subject.

Important Presentation Skills

In today’s business environment, presentation skills are requisite in almost every professional arena. Employees are often required to give presentations on the targets achieved by them. A presentation can be effective if it is carefully planned and prepared.

However, delivering presentations is not always easy for every individual. Some people take presenting as a probable opportunity to showcase skills, while others find it a challenging task. To provide an effective presentation, a presenter must possess some abilities.

Some of them are explained as follows:

Analytical ability

Effective communication ability, creative ability, good interpersonal skill, sound time management, problem-solving ability, a sense of humour.

It refers to a calibre which empowers an individual to collect, organise, visualise and comprehend data. Such skills enable a person to look at related patterns, draw conclusions and find solutions to problems. In addition, sound analytical skills also enable an individual to forecast future trends using various techniques such as brainstorming, forecasting, data mining and metrics interpretation.

Communication entails much more than mere talking to the audience. To communicate effectively during a presentation, one ought to showcase information lucidly. During a presentation, a person should not just have a good set of slides together; rather he needs to engage and strike a chord with the audience to transmit the intended message.

It refers to the ability to present things in a creative way that have not been explored earlier. Creative skills in presentation enable an individual to invent or develop something path-breaking, such as a new concept, unique way out from a problem, a method, a work of art or new machinery, etc.

It encompasses how an individual portrays or presents himself to the audience and builds a rapport with the audience. During a presentation, sound interpersonal skills empower a speaker to interact, communicate and collaborate with the audience effectively.

Interpersonal skills are prevalent across all personal and professional interactions between people. Interpersonal skills entail empathy, active listening and emotional intelligence.

While delivering a presentation, a person should manage time effectively, set a presentation schedule and end a presentation within a stipulated time. If a presentation is long, there are chances the audience may lose interest and the message may not be delivered.

A speaker cannot expect audience to actively listen to the presentation for hours. At the start of presentation, a speaker should aim to grab audience’s attention and allocate time for questions and answers at the end.

Problem-solving is a requisite skill for a presentation. During a presentation, the audience may ask the speaker any kind of questions. On the other hand, it is important for the speaker to provide an appropriate answer to the audience to make the presentation successful.

A sense of humour is crucial to deliver a quality presentation to make the environment light and engaging. Appropriate usage of light jokes relieves stress and holds the attention of an audience, which makes the presentation a memorable experience for both the speaker and the audience.

Evaluation Wheel

Evaluation wheel is a creative and effective tool that accumulates information on outcomes in a simple and accessible manner. A presenter can opt for the evaluation wheel tool to show the outcomes of the research or reports. This tool is used to provide various types of information and journeys of change within the organisation.

It offers a visual representation of progression and results in the form of a spider diagram. The evaluation wheel measures the exact outcomes for a programme at the start and end. Figure states the scale questionnaire in a circle form wherein respondents will analyse the instances from their discretion and experience and give rating on a scale of 1 to 5.

For instance, service users are appropriately involved. In this case, if the respondent strongly agrees, he/she will give 5 rating and if he/she does not agree, he/she will give 1 rating. The centre of the circle is for 1 and as the respondent agrees, they reach out to edge for 5 rating.

Ps of Presentation

Even the most powerful presentation may fail if the presenter comes unprepared. A presentation is both a mental and a physical effort. There are Ps of presentation that provide a checklist to the presenter for ensuring that the presentation is well-constructed and clear so that the audience gets the message. These four Ps are explained as follows:

A thoroughly prepared presentation captivates the interests of the audience. The topic or content of the presentation must be thoroughly researched. No one would develop interest in a vague or equivocal presentation. A speaker can make use of stories or relatable examples and quote references to give more depth to the presentation and make it intriguing.

Apart from that, it should be ensured that only important points are highlighted in bullets or using other graphical elements. Providing too much of theory or full sentences can create boredom for the audience.

While preparing for a presentation, the presenter should include the following sections:

  • Introduction : This section includes the name of the topic and the purpose of the presentation.
  • Body : This section contains the main content of the presentation; thus, it must be prepared in a well-organised manner.
  • Summary : It provides a recap of the content of the presentation. It outlines the most important points of the presentation to ensure the key message is retained by the audience.

Practice will make a man perfect is an adage that is appropriate across all spheres of life. It helps a speaker become familiar with his/her own voice, words and phrases and adjust accordingly. By practising thoroughly, a speaker can explore how to fit different pieces of information together and practise transition.

Also, a speaker should make notes wherever required as a part of presentation support. Using an index card is a common form of note-taking that provides a quick glimpse of important points.

While delivering a presentation, the speaker needs to demonstrate confidence in front of the audience. The speaker must be polite, but not apologetic in situations, such as if the session is running overtime or the microphone has stopped working.

Instead he/she should expect and ask for discipline and attention. It is important for a speaker to engage with the audience during the presentation in order to assure them that he/she is genuinely interested in talking to them. 4. Pace, pitch and pause: A presenter should deliver the presentation in an easy-to-follow pace and try changing the pace to enliven the presentation.

For example, pauses can be taken intentionally between main points to reinforce them. Along with pace, pitch is equally important. Just as pace varies in normal conversations, it should be used effectively during presentations too. For example, when asking a question, the presenter can raise the pitch and can lower it down when explaining a point.

The most crucial aspect of delivering an effective presentation is that the speaker should appear confident and the speech should look effortless. The three essential elements of a great presentation.

All that may be true, but if you simply follow your slides, there is a very good chance you will read from them. There is also a good chance you will fail to ace two of the key parts of your talk—the opening and the closing. These are the areas of the presentation that engage and persuade the audience. And the parts that drive home your most essential message. If you skip them and jump right into the content—which so many speakers do—you may very well lose the chance to connect your audience with the content and convince them of your message.

So let’s take a look at the separate parts of the presentation, and be sure we understand exactly why they are needed, and how we might put them together for a terrific presentation or speech. Please note that even the most informal talks do better when you follow this format. With a little planning and practice it will become your “go to” structure.

Opening and key message

  • A strong start with a key message provide context, a reason for listening.
  • A strong start builds your confidence, even as it captures and directs your audience’s attention.
  • A strong start connects you with your audience, and them to your message.
  • Start with a one-sentence overview. This is your key message. It should be short enough to say in one breath. It should be the one thing you want your audience to take away. If you could only say one sentence, this would be it.
  • Write it down. Say it out loud. If it is just “in your head” it could be very vague or “slippery.” If you can write it down or say it out loud, then you know it is a message, not just a thought.

Content or Body of Presentation

  • The message needs the evidence or proof that only the body of the presentation can provide. As a standalone, it may be intriguing, but it probably lacks substance.
  • The body must be organized and clear. This is where you lay out your case, and you want to follow a logical structure.
  • The body should strike a balance between being too detailed and too broad. Be sure you think through your time frame, your audience, and the nature of this content. How detailed does it need to be? How simple can it be? If it is too detailed, the audience may fade. If it is too broad, they will get bored and possibly insulted.
  • The body should strike a balance between facts and feelings. Depending again on content and the makeup of the audience members, you will want to include not just facts, but some kind of emotional appeal. If you tend to lean on emotional appeal, be sure to balance that with solid facts and figures.
  • Include pertinent, updated facts and findings. I recently found a great statistic I wanted to use, until I discovered the research was over ten years old. No good. Also consider the sources of the statistics you use; will they be credible with your audience?
  • Include humor, stories, examples, case studies, and discussion questions. Get your audience talking with each other to whatever degree seems appropriate. Get them to do something with you or each other, even if it is as simple as answering your “quiz” questions or raising a hand.
  • Humor is great but don’t feel you must tell a joke. Instead, use a personal anecdote or reaction. Blend it into your content; don’t make a big issue of it.

Closing/repeat of key message/call to action

  • A great closing builds your confidence and lets you end with power and punch, not a whimper.
  • A great closing drives the main message home. We need to hear things more than once, especially the things that it is important to remember.
  • A great closing creates a satisfying sense of closure. Imagine going to a concert or a play and wondering “is it over?” Great experiences come with a resounding close.
  • A great closing includes a reminder of where you started, which improves recall of your key message, and a call to action can take advantage of an emotional high at the end.
  • Repeat or rephrase your key message one last time. Make it be the first and the last thing your audience hears.
  • If you have a call to action, state it here and say it strong. “Call today. Get started now. Remember to sign up.” These are clear calls to action.
  • Plan and rehearse your closing. Don’t leave it to chance. At the end of your presentation you will feel a strong sense of relief. Don’t just end abruptly, but leave enough time to wrap up properly.

So even if time is short, the presentation is informal, or you just don’t know how to get started, make sure these three elements of your talk are well planned and that you deliver them with aplomb. Without these essentials, it might be just a bunch of words. With them, you have a compelling talk.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

A successful business presentation requires careful planning and structuring. In this article, we will look at presentation structure, focusing on the three parts: Introduction, main body, and conclusion of a presentation. We will explore what each part does and specific tips to help structure these parts of the presentation in the best possible way.

A successful presentation needs a well-structured agenda. It helps your audience to keep track and follow the content of the presentation. The agenda ensures that all important aspects of a topic are covered in the presentation.

An attractively designed and worded agenda can also help to capture the audience’s attention right from the start and get them excited about the presentation. For example, the agenda can be designed using images, language, or terminology that is specific to the audience’s goals and interests. In this way, the presenter signals that they value the audience’s time and interest and are tailoring their presentation to meet their needs. Part 1: the introduction of a presentation

1. Greeting:

With a friendly greeting, you create a positive atmosphere right from the start. You give the audience the opportunity to arrive, get quiet and collect themselves and signal that it’s about to start. This phase is important to establish the audience’s concentration.

2.  Introduction:

Briefly introduce yourself and your organization. Give an overview of who you are and what your role is in your organization. By doing this, you will give your audience direction and reinforce your expertise and credibility at the very beginning of the presentation.

3. Objective:

Briefly outline the topic of your presentation and explain what you hope to accomplish with the presentation. Make sure the goal of the presentation is clear and concise.

4. Context:

Explain the context in which the presentation will take place. Why is the topic important? Why is it relevant to the audience? Here you should also make sure that you connect with the audience and tailor your presentation to their needs and interests.

  • The audience is focused
  • They know who you are and that you bring expertise to the topic
  • It knows what the presentation is about and why it is worth paying attention.

Part 2: the main part of a presentation

The main part is the most important part of your presentation from a content point of view. Here you present your information, argue for your position, try to convince the target audience or bring them to a decision. In short, the middle section is the heart of your presentation. It should be structured in a logical and comprehensible way and should be consistently oriented towards your presentation objective. The biggest challenge is to make the main part compact and not to ramble too much, but still not to make any jumps in content where you might lose your audience. Ideally, when building the main body, you follow the thought processes your audience might have and answer any questions that might pop into your target audience’s head. Of course, this requires a good knowledge of your target audience and also some experience. If you have given similar presentations before, you should take into account insights you can derive from audience reactions or questions, for example, when building your next presentation.

The main part should make up about 75% to 80% of the total duration of the presentation. These are our tips for the main body:

1. Precise headings:

Make sure the main body is clear and logical and use precise headings. They will ensure that your audience can follow your arguments. Headings that are to the point also help the speaker, for example, when you want to jump back and forth within the presentation.

2. Key messages:

Present your core messages and arguments in a logical order. Make sure to support your arguments with examples and facts to strengthen your position. Report from the field to show that you understand the needs of your target audience.

3. Visualization:

Make sure you make your information easy to grasp quickly. Whenever possible, you should make use of visualizations. Diagrams, icons, and images are quicker to grasp than columns of scrubs, and you’ll stick in their minds. Your audience is more likely to remember a good picture than the text on your slides.

After the main part, you should have achieved the following with your audience:

  • The audience has understood your information and your arguments
  • You have answered or anticipated your audience’s most important questions and objections
  • The audience has recognized the relevance of the topic for their own needs and requirements
  • The audience is ready to take the next step toward your goal.

The closing section is the last part of your presentation and gives you the opportunity to emphasize your message once again. It’s not just about leaving a strong impression. The conclusion of your presentation determines whether you have achieved your presentation goal. Were you able to find supporters for your topic? Were you able to bring about a decision? Were you able to win a new customer? In order to be able to measure the achievement of your objectives, it is important to be specific at the end of your presentation. Depending on the goal, you can give an outlook here, agree on next steps or deadlines, or already distribute tasks. Use all possibilities for a binding exit and a concrete connection. Make sure that your topic is thought about further, a project is pursued or a collaboration is started. Otherwise, unfortunately, your presentation will be forgotten very quickly or other topics will push in front of it.

The conclusion of your presentation should be about 10% to 15% of the total duration of the presentation and include the following elements:

Summarize the most important points of your presentation again in a short and concise way. This will remind the audience of the key messages and strengthen your overall impression.

2. Call-to-action

Conclude your presentation with a call-to-action that fits your presentation objective. Ask the audience to make a decision, buy a product, or schedule a follow-up appointment with you. This will create commitment and ensure that your presentation objective is achieved.

Give an outlook on future developments or projects. Show the next steps or point out follow-up topics. By doing so, you show that you know the processes and are also an expert for the next steps and implementation.

4. Thank you

Conclude your presentation by thanking the audience. Show your appreciation for the interest and time the audience invested in your presentation. You can also include your contact information and offer to answer questions or provide further information. The thank you note should come from you in person; you don’t need a slide for that. 6 Key Elements of a Great Presentation

Whether you're presenting to co-workers or conference attendees, a strong presentation can create buy-in, generate interest, and even further your career..

Whether you're presenting in a boardroom or at a conference, a strong presentation can go a long way toward furthering your career. If you project confidence and competence, you'll be able to engage and impress any audience.

But as you might imagine, pulling off a great presentation or conference talk isn't easy. A confident speaker can still be foiled by a low-quality presentation deck , and likewise, a great deck can't make up for lack of preparation .

I've had the question of what makes a great presentation on my mind a lot lately. On March 9, I'll be speaking at SXSW for the third year in a row. My talk is called " The Visual-First Method: Boost Conversions Now ," and will explain how organizations can transition into making visual communication their primary means of communicating both internally and externally. After nine years running a visual communication agency, it's a topic I know well. Even so, a great deal of preparation goes into this and all the talks that I deliver, which total dozens a year.

With all of this in mind, I'll outline the six elements that every successful presentation needs.

1. It has a clear objective.

What are you trying to achieve with this presentation? Should your audience walk away impressed and informed with what you achieved? Ready to learn more about your company? Excited to download your ebook?

Define your goals clearly, right at the outside. The objective of your presentation will drive everything from your script to your slide deck.

No one likes to sit through an hour-long sales pitch. Nor do they want to hear a talk that doesn't teach them something, or benefit them in some way. So if you think that talking about what your company does for the entirety of your next conference presentation is a good idea, you're sorely mistaken.

Every presentation should genuinely and meaningfully offer value to its audience. That means sharing key strategies that have worked for you; offering up enlightening data or insights; or telling a story that they may be able to learn from. Only in considering your audience's needs will you gain their confidence and trust.

3. It's well-rehearsed.

Yes, you absolutely need to practice. What you say should not only be said clearly, it should be delivered in an organized fashion and should be carefully coordinated with what you show on screen. Practice also helps you project confidence as a speaker, and that, too, will be more compelling for your audience.

And even if you've done this presentation a dozen times, rehearsal is essential. After all, every audience is different, so you may need to adjust your presentation each time to your audience's unique needs and interests.

4. Your presentation deck uses as little text as possible.

We've all attended one of those presentations where the slide deck had too much text. It's impossible to read more than a few words at a time while also listening attentively to the speaker.

Don't give attendees a reading assignment. It'll make the overall experience of your presentation less enjoyable. Your audience is liable to feel distracted and even a little stressed. Instead, focus on visualizing the topics you're discussing and supplementing them in meaningful ways -- with the help of graphs, for example.

5. Your contact information is clearly featured.

On my conference presentation, I include my company's logo and our Twitter handle on every slide. I want to make sure that the audience has ample opportunity to learn who we are, and to reach out and connect. This is especially useful for conference presentations, and may not be necessary for internal presentations at your place of work. Still, don't forget to make sure that everyone has a way to reach out to you, and remind them of your name and contact information on your last slide.

6. It includes a call-to-action.

Just as every presentation has a clearly defined goal, so too must it have a clear call-to-action. What do you want your audience to do at the end of your presentation? You'll need to give them an easy way to follow through on next steps.

At conferences, I like to leave audiences with a way to learn more about the topic I've been discussing. That's why I'll often share a link to an ebook at the end of my talks.

Still, when it comes to calls-to-action, there are as many options as there are goals. Determine what's right for you.

Incorporate these strategies into your next presentation, and you'll see more engagement and improved conversions. It will also make for more satisfied audiences, no matter where you're presenting.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Example of great presentation structure and delivery

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

Module 13: Public Speaking on the Job

Effective presentations, learning objectives.

Identify key features of an effective presentation.

When you’re giving a presentation at work, you’re essentially giving an informative speech. Many of the strategies and principles discussed in Module 9: Informative Speech apply to the situation of presenting at work as well. We’ll review a few key areas below. It is also important to keep in mind, however, that the way you approach a presentation for work will differ significantly depending on the context. In the professional context, your presentation has a specific function; before you begin putting it together, you need to find out as many details as possible about the function your presentation will be performing. Are you speaking to coworkers? Potential clients? Community leaders? Other experts in the field? Keep in mind that your presentation fits into a larger picture that includes workplace culture, community visibility, and/or brand identity.

The key elements of a good presentation are content , organization , and delivery . There are both substance and style aspects of content. Substance elements include the originality and significance of your idea, the quality of your research and analysis, clarity, and the potential impact of your recommendations. Style aspects of content include confidence and credibility, both of which have a significant impact on how you—and your message—are received.

Good organization starts with a strong opening and continues in a logical and well-supported manner throughout the presentation, leading to a close that serves as a resolution of the problem or a summary of the situation you’ve presented. The audience experiences good organization as a sense of flow—an inevitable forward movement to a satisfying close. This forward momentum also requires speakers to have a certain level of technical and information-management competency. To the latter point, good presentation requires a presenter to put thought into information design, from the structure and content of slides to the transitions between individual points, slides and topics.

Delivery entails a range of factors from body language and word choice to vocal variety. In this category, your audience is responding to your personality and professionalism. For perspective, one of the three evaluation categories on the official Toastmasters speaker evaluation form is “As I Saw You” with the parenthetical items “approach, position, personal appearance, facial expression, gestures and detracting mannerisms.” A good presenter has a passion for the subject and an ability to convey and perhaps elicit that emotion in the audience. Audience engagement—through eye contact, facial expression, and perhaps the use of gestures or movement—also contributes to an effective presentation. However, to the point in the Toastmasters evaluation, gestures, movement and other mannerisms can be distracting. What works is natural (not staged) movement that reinforces communication of your idea.

With those key features and presentation-evaluation criteria in mind, let’s add a disclaimer. The reality is that your features won’t matter if you don’t deliver one essential message: relevance.

Whether you think in Toastmasters’ terminology—”What’s in it for me? (WIIFM)” from the audience perspective—or put yourself in the audience’s position and ask “So what?” it’s a question that you need to answer early.

To Watch: Richard Mulholland, “A Formula for Delivering Effective PResentations”

In this speech, presentation coach Richard Mulholland offers a memorable formula for effective presentations: give the audience a reason to care; give them a reason to believe; tell them what they need to know; tell them what they need to do. [1]

What to watch for:

Mulholland makes his point clearly by “rewriting” a TED talk he once saw (beginning at 0:53). As Mulholland points out, the topic was fascinating, but the speaker failed to give his audience a reason to care about it from the outset. In Mulholland’s version of the speech, structured according to his four-part formula, the speech no longer buries the lead; it starts with a question that will grab the attention of the audience and “give them a reason to care.”

Purpose, Audience, and Message

It may be helpful to think of your presentation as having three key moving parts or interlocking gears: purpose, audience, and message. Let’s walk through the presentation-development process at this planning level.

Generally, the first step in developing a presentation is identifying your purpose. Purpose is a multi-layered term, but in this context, it simply means objective or intended outcome. And why is this? To riff on the classic Yogi Berra quote, if you don’t know where you’re going, you might as well be somewhere else. That is, don’t waste your audience’s (or your own) time.

Your purpose will determine both your content and approach and suggest supplemental tools, audience materials, and room layout. Perhaps your purpose is already defined for you: perhaps your manager has asked you to research three possible sites for a new store. In this case, it’s likely there’s an established evaluation criteria and format for presenting that information. Voila! Your content and approach is defined. If you don’t have a defined purpose, consider whether your objective is to inform, to educate, or to inspire a course of action. State that objective in a general sense, including what action you want your audience to take based on your presentation. Once you have that information sketched in, consider your audience.

The second step in the presentation development process is audience research. Who are the members of your audience? Why are they attending this conference, meeting, or presentation? This step is similar to the demographic and psychographic research marketers conduct prior to crafting a product or service pitch—and is just as critical. Key factors to consider include your audience’s age range, educational level, industry/role, subject matter knowledge, etc. These factors matter for two reasons: you need to know what they know and what they need to know.

Understanding your audience will allow you to articulate what may be the most critical aspect of your presentation: “WIIFM,” or what’s in it for them. Profiling your audience also allows you adapt your message so it’s effective for this particular audience. That is, to present your idea (proposal, subject matter, recommendations) at a depth and in a manner (language, terminology, tools) that’s appropriate. Don’t expect your audience to meet you where you are; meet them where they are and then take them where you want to go together.

Returning to the site analysis example mentioned earlier, knowing your audience also means clearly understanding what management expects from you. Are you serving in an analyst role—conducting research and presenting “just the facts”—to support a management decision? Or are you expected to make a specific recommendation? Be careful of power dynamics and don’t overstep your role. Either way, be prepared to take a stand and defend your position. You never know when a routine stand-and-deliver could become a career-defining opportunity.

The third step is honing your message. In “TED’s Secret to Great Public Speaking,” TED Conference curator Chris Anderson notes that there’s “no single formula” for a compelling talk, but there is one common denominator: great speakers build an idea inside the minds of their audience. Ideas matter because they’re capable of changing our perceptions, our actions, and our world. As Anderson puts it, “Ideas are the most powerful force shaping human culture.” [2]

So if ideas are that powerful, more is better, right? Perhaps a handful or a baker’s dozen? Wrong. As any seasoned sales person knows, you don’t walk into a meeting with a prospective client and launch into an overview of every item in your company’s product or service line. That’s what’s known as “throwing spaghetti on the wall to see what sticks.” And that’s an approach that will have you wearing your spaghetti—and perhaps the dust from one of your client’s shoes on your backside as well. What audience members expect is that you’ve done your homework, that you know them and their pain, and that you have something to offer: a fresh perspective, an innovative approach, or a key insight that will change things for the better. As Chris Anderson says, “Pick one idea, and make it the through-line running through your entire talk.” [3]  One message, brought vividly and relevantly to life.

So now that you have a macro view of the presentation-development process, let’s review what can—and often does—go wrong so we can avoid the common mistakes.

Many people have to give presentations for all sorts of reasons and it is often not the content that poses problems but everything else! So let’s focus on other important elements of a presentation:-

1. Eye contact

Maintain eye contact with the audience. That does not mean continuously scanning the audience like a lighthouse beacon or staring at anybody in your audience (as that can be very unsettling) but it does mean allowing the audience to believe you are communicating with them all and that they are all participants in this event. Maintaining steady (but not threatening) eye contact will also stop you looking at the floor, the ceiling or your notes. Nobody appreciates speakers hanging onto their scripts.

2. Body language

Stand tall and confident and show a positive attitude. Don’t slouch, fold your arms, keep your hands constantly in your pockets or fidget as these are all distracting for an audience. It is acceptable to walk a little but not too much as, again, that can divert attention from the main focus of the presentation and you should always face your audience so never turn your back on your listeners. Don’t be afraid to use your hands or arms to reinforce something you are saying but again not too much as that can be annoying.

Speak as clearly as you can (no mumbling) and find the right speed – not too fast or too slow. There may not always be a microphone available when you present (check this out beforehand) so learn to project your voice but don’t shout. Practice as much as necessary with friends or family or record yourself again and again on your phones or tablets until you are satisfied you can deliver your presentation naturally. Make sure you allow yourself time to breathe so incorporate pauses in the right places with judicious uses of signposting language. Plenty of practising and knowing your content should stop you making unnatural pauses and going ‘ahh’, ‘um’.

4. Positivity

Show enthusiasm for your presentation by displaying positive energy, look like you care about what you are talking about (act if necessary; though if you do not care, why are you doing all this in the first place?) Do not be afraid to smile!

5. Answering questions

Question time might feel like the Spanish Inquisition paying a visit but it is a routine part of all presentation scenarios. Inevitably, during or after presentations, there will be questions from the audience. The best way to prepare for these questions is to know your topic in as much detail or depth as you can.

People who ask questions at presentations are not generally out to get you or catch you out. They are genuinely interested in what you have said and want to know more, so respond accordingly, after all it is great that they made the effort to listen to what you have said and still want to know more.

Be as gracious and polite as you can when taking questions from your audience. Be open, if you do not know the answer, don’t make it up, just be prepared to politely say you do not know the answer and that is an area you will need to research further or was outside the scope of the current topic. Never roll your eyes or make any other negative gesture following a question. If you need time to consider a reply, use a phrase such as ‘there are a few ways that the question/matter could be resolved but I think…’ just to give you a few vital moments to think but without a deathly silence surrounding you.

Above all, enjoy the experience of presenting. Yes, you are centre-stage so take the opportunity to shine!
