Present during a video meeting

Duo and Meet have combined into a new Meet app. Meet (original) users can download the new app .

  • When using Google Workspace, you can  hold large remote events .
  • Workspace organisations with admin capabilities can switch this feature on or off for the entire organisation.
  • On your computer, when you click Present before you join a meeting, you join in Companion Mode. When you use this option, your mic and speaker are unavailable.

Join a Meet video meeting . At the bottom, click Present now . Select Your entire screen, A window or A tab . If you present a Chrome tab, it shares that tab's audio by default. To present a different tab, select the tab that you want to present, click Share this tab instead . If you present a Slides presentation through a tab, you can control it in Meet . Click Share. Optional: To unpin your presentation and view it as a tile, click Unpin .   • If your camera is turned on, your video is active while you're presenting.
  • For better presentations and to prevent mirroring, share a new window or a specific tab instead of the meeting window.
  • To share your audio, you must select Share a Chrome tab or Share this tab.

Stop presenting

  • In the Meet window, click Stop presenting .

Present if someone else is already presenting

  • At the bottom, click Present now .
  • Select Your entire screen , A window or Chrome tab.
  • Select Present instead .

If you're using Google Meet on an eligible work or school account, you can control Google Slides presentations from within a Google Meet video meeting. You can also make other people in the video meeting co-presenters.

Important : To control a Google Slides presentation from a Google Meet video meeting, you must use a computer with a Chrome browser.

  • In a Chrome tab or window, open the Slides file that you want to present.
  • In a different Chrome window, open Google Meet and join a video meeting.

  • You can either present from the Google Meet tab, or present directly from the Slides tab .
  • Select the tab with the Slides presentation, then click Share .
  • Important: You can only control a presentation in Google Meet when you're in slideshow mode.
  • Click to the next or previous slide with the arrow buttons.
  • Jump to a specific slide by clicking the slide number, and choosing from the list of slides.

Share files that you present.

As you present, you can share access to the file when someone needs it. You can only share Docs, Sheets or Slides files.

Important: To see share suggestions, you must use the Chrome or Edge browser and not be in Incognito mode.

  • A sharing suggestion only appears if you select 'Present a tab' as the sharing mode.
  • You can grant access to the file and attach the file to the meeting's calendar event.
  • You shared the file.
  • The link is shared in the meeting's chat.

  • If all participants have access to the file, the link is shared in the Meet chat and attached to the calendar event.
  • If a participant doesn't have access to the file, you're notified with a pop-up. Click Share in Meet chat .
  • The file is shared in the Meet chat and attached to the calendar event.

Tip: To not attach a file to an event, in the pop-up, untick 'Attach the file to the calendar event'.

Why are participants unable to hear audio when sharing a video in a Teams meeting?

When conducting a Teams meeting and sharing a video you may run into the issue of participants not being able to hear the audio of your video. If you are conducting a meeting and use screen share so that others can watch you demonstrate or you would like everyone to watch a video as a group, you will find that the sound from the video is not automatically broadcast with the screen share to meeting participants.

This is not a default setting which is enabled so you will need to ensure you include your computer sound as part of the screen share process.

See how to include computer sound when screen sharing:

  • Open Microsoft Teams (I’m using the desktop app).
  • Start a meeting as you normally would.
  • Once you have started the meeting, click the Screen content button:

Click the Share content button.

  • The Share content panel will open.
  • Enable the Include computer sound button:

  • Now choose a Screen or individual program window to share with other meeting participants.
  • If you display and play a video such as YouTube, the sound will be shared with meeting participants.

That’s it folks, a short and simple process here allowing participants to hear the audio you have running during a screen share.

2 Ways to Share Video With Audio in Google Meet

3 Ways To Share Audio on Google Meet along with Video

Google Meet has become the go-to platform for anyone who is working or studying from home amid the COVID-19 pandemic. While working from home has its merits, we are at the mercy of the technology to connect and share with our colleagues. 

One common issue faced by Google Meet users is that they can’t share audio along with the video. The video you present will be played without any sound by default which puts users in a rather frustrating situation.

Luckily there are ways you can bypass this issue and play the video with sound in Google Meet. And I am going to tell you about not one but two ways to share video with audio in Google Meet, read on to find out.

Method #1: Present a Google Chrome Tab

This is the official solution to share audio with the video made available by Google itself. You can use the Present a Chrome Tab option to present an online video and audio to other participants of a Google Meet.

While the official announcement from the Google team stated that only G Suite users can access this feature, it appears to be working fine for regular Google accounts. 

The basic benefit of this feature is that you can present a single Chrome tab that you have selected to the attendees of a meeting. However, you can switch between tabs to select a different tab at any moment. 

You can follow these simple steps to present a video and audio combination to your Google Meet attendees:

Step 1. Join a Google Meet or start a new Meet.

Step 2. Click on the Present Now button that usually sits at the bottom of the screen.

Step 3. Click on Choose A Tab option from the next menu and you will be taken to a list of current Chrome Tabs.

Step 4. Choose the tab containing the video you want to present and then click on the Share button at the bottom of the window.

Chrome will inform you that you are currently sharing a tab with Google Meet attendees.

Switching shared tabs

You can switch the tab you are currently sharing during Google Meet through these steps:

Step 1. Open the tab you want to switch to from the currently shared Chrome tab.

Step 2. Locate the prompt at the top of the page that says “Share this tab instead” and click on it.

Confirm that you are now presenting the tab you had selected from the prompt.

Method #2: Adjust your Windows 10 microphone settings

One way to share video and audio at the same time in Google Meet is by tweaking your Windows 10 microphone settings. You can do that with the help of these steps:

Step 1. Open the start menu and click on the Setting options.

Step 2. Open System settings and then click on the Sound option in the left panel.

Step 3. Click on Manage sound devices and find input devices.

Step 4. Enable the Stereo Mix option and while you are at it make sure that the microphone option is available along with the Stereo Mix option. 

Step 5. Now go to Google Meet and click on settings, open the audio option and set the Stereo Mix as your default microphone.

Play the video you want to present, and your Google Meet participants should be able to hear the audio from the video you are playing.

Bonus method: Use your mobile device to share audio 

There is another option to share audio along with the video by using your mobile phone’s mic to talk while the video is being played through your PC.

However, this feature is currently available for Google Workplace hosts only and normal users can’t access it. All you have to do is select the “Use a phone for audio” feature available to Google Workplace hosts and your phone will now serve as a mic so you can speak through it while presenting a video from your PC.

How can I stop presenting in Google Meet?

Once you have finished presenting the video or Chrome tab in Google Meet you will eventually have to stop presenting it. Stopping your presentation is easy and all you have to do is this:

Step 1. Find the You are presenting button at the bottom of the screen and click on it.

Step 2. Click on the stop presenting option to stop your presentation.

While Google Meet is a powerful tool, it still lacks some functionalities, such as the inability to share audio along with your videos. However, using the solutions I have shared with you in this article, you can easily overcome this issue and present clear audio with your videos.

My personal favorite is the share a tab method as it doesn’t require making any changes to settings and doesn’t require a special type of account to use.

Screen sharing is by far one of the most useful features of  Zoom . But you’ve probably had the unfortunate experience of sharing your screen to show a video during a Zoom meeting, only to discover the other people on the call can’t hear the video’s audio stream.

Why does this happen, and how can you fix it?

The Zoom app defaults to play audio from your microphone. This makes sense, because most of the time you want to be able to talk during Zoom meetings. But it’s easy to change your settings so you can share your screen on Zoom with audio from music or a video instead.

You just have to know where to look and which buttons to click.

How to screen share on Zoom with standard audio

Before we show you how to share your screen with audio from a video or music, here’s how to screen share on Zoom with standard audio from your microphone (i.e. so participants can hear you talking).

Click the “Share Screen” button in the meeting toolbar > Choose the program you want to share

That’s it. It’s simple to share your screen on Zoom. Up next: screen sharing with a video playing.

How to share your screen on Zoom with audio from a video (PC, ioS)

To share your screen on Zoom with audio from a video:

  • Open the Zoom app to start a Zoom meeting or join one.
  • Click the green  Share Screen  icon in the lower meeting toolbar.
  • Choose what you want to share.
  • Click the  Share Sound  checkbox in the bottom toolbar.
  • Click the blue  Share  button in the lower right corner.

The first step is to hop on the Zoom app and get that meeting going.

Click the green “Share Screen” icon

Once you’re in the Zoom meeting, click the green  Share Screen  icon in the middle of the meeting toolbar. This begins the process of sharing your screen in Zoom.

If you’re using an external microphone or speaker, make sure you’ve configured your  Zoom audio device settings  before sharing your screen.

Choose the window, program, or desktop you want to share

A window will pop up, prompting you to select what part of your screen you want to share on Zoom. This could be a particular program, window, or your entire desktop. Choose what you want to share with Zoom meeting participants.

Click the “Share Sound” checkbox

This is an important step needed to share not just your screen in Zoom, but also the sound from a video or music track. The  Share Sound checkbox is located in the lower-left corner of the popup window.

Adjust your audio (optional)

If you want to adjust your audio settings, click the tiny down arrow next to the Share Sound label to open the audio quality settings. Choose your sound quality.

  • Stereo (High-fidelity)  works on most high speed internet connections.
  • Mono  is the best option if you’re on a slower connection or you’re already seeing delays and stutter in your Zoom meeting.

This is located in the lower right corner. It’s the final step to sharing your screen on the Zoom app with audio.

That’s it. Now you’re sharing your screen for Zoom meeting participants with the audio from your computer playing. Everyone on the Zoom call will be able to hear your video.

This process simultaneously shares your screen and computer audio along with the audio from your mic. You can also choose to mute yourself while screen sharing. The computer audio will continue playing, but the Zoom meeting participants won’t be able to hear you if you speak.

Now you know how to screen share on the Zoom app with audio from your PC or iOS desktop or laptop. But what happens if you connect to a Zoom meeting from your phone? Screen sharing with audio from your iPhone or Android Zoom app is actually even easier.

How to share your Zoom screen with sound from your phone (iPhone/Android)

To share your screen with audio during a Zoom meeting on your phone:

  • Start or join a meeting.
  • Tap the  share content  button.
  • Select  screen .
  • Swipe up or press home (for broadcast control screen).
  • Tap  start broadcast .
  • Toggle  share device audio  to on.
  • Swipe up or press home button  >  open the app you want to share.

Start or join a Zoom meeting

You’ll need the  Zoom app  to share your screen with audio from your phone. Get this if you don’t already have it, then start or join your Zoom meeting.

If you haven’t shared a screen in Zoom from your phone before, keep in mind you won’t be able to select a desktop or window to share. Zoom just shares whatever is on your screen, so you may need to do a little prep work to make sure there’s nothing sensitive open.

It’s also wise to turn on Do Not Disturb while you’re screen sharing from your phone. That way, notifications won’t pop up during your screen share.

Tap the “share content” button.

Once you’re in the Zoom meeting, tap the green  Share Content button on the meeting toolbar.

In the content selection popup window, choose  screen .

Swipe up or press home (for broadcast control screen)

Next, swipe up or press home on your phone. This brings up the Zoom broadcast screen. Zoom should be checked by default.

Tap the “start broadcast” button

Tap the  start broadcast button to begin sharing your screen. Zoom gives you a three-second countdown before the broadcast starts. If you were muted when you tapped the Share Content button, you will get a notification that your microphone is off.

Toggle “share device audio” to on

The broadcast control screen includes an option to share your phone audio along with your screen during the Zoom meeting. In most cases it’s enabled by default. If it’s disabled, just tap the  Share Device Audio  button to toggle it to On.

Open the app you want to share

Once that’s done, just swipe up or press your home button to minimize the Zoom meeting and return to your home screen. Open the app you want to screen share in Zoom. Audio from the app will play for everyone in your Zoom meeting.

Once you’re finished, you can return to Zoom by tapping the Zoom app icon, then tap the  Stop Share  button in Zoom to stop screen sharing.

Or stop screen sharing by tapping the  red timer icon  at the top of your screen.

Once you stop sharing your screen, the icon at the top of your screen will turn green. You can tap it again to return to the Zoom meeting.

Playing music during a Zoom meeting

Playing music during a Zoom meeting might have limited application, but it’s handy for meetings where you have long periods of silence like Zoom classes or to spice up fun Zoom events like  ice breaker games .

To play music during a Zoom meeting, begin with the same steps you used to share your screen with audio on the Zoom app. Choose to share your main desktop, then open your music player and play your music while sharing your screen with the computer audio enabled.

That’s all for sharing your screen in Zoom with sound. But there’s one more tweak you can make (and help your friends make) to give the best Zoom screen sharing experience possible.

Side-by-side screen sharing on the Zoom app

You won’t notice side-by-side screen sharing when you’re sharing your own screen. But if someone else in your Zoom meeting shares their screen, side-by-side mode can be a better layout for you.

With side-by-side screen sharing in Zoom, you’ll see the person’s screen next to their camera view. That way you can see who’s talking while they present what’s on their screen.

Just pop into the Zoom app settings, go to the Share Screen settings, and check the box to enable side-by-side sharing.

Why can’t I screen share on Zoom?

If you can’t screen share on Zoom, it’s probably because of one of these reasons:

  • The meeting host has disabled participants’ ability to share their screen
  • You’re using an old version of Zoom (to screen share, use version 5.0 or higher)
  • You’ve prevented Zoom from accessing your microphone and camera. (Fix this in App Permissions)

How do I Share Screen and see participants in Zoom?

When you share your screen in Zoom, you can still see participants, but they’re moved to a small vertical strip at the side of your screen. Click on the 4×4 grid icon at the top of the strip to see participants in gallery view (grid) instead. You need a minimum of six Zoom meeting participants for gallery view to work.

How do I allow others to share their screen on Zoom?

To allow others to share their screen on Zoom while a meeting is in session:

  • Click the  ^ up arrow  next to the screen share icon.
  • Select  advanced sharing  options.
  • Toggle  all participants  in the “who can share” section.

You can make participant screen sharing the default in your Zoom app settings.

How do I change the volume of screen shared audio on Zoom?

To change the volume of the screen shared audio on Zoom, you need to change the volume on the app that’s playing the sound. Eg: If you’re sharing your screen while playing a YouTube video, adjust the volume of the video directly in YouTube.

How to record a PowerPoint presentation with audio for sharing

Wondering how to make a video with PowerPoint? If you want to create a video presentation from your PowerPoint slides, you can use PowerPoint's in-built recording feature. The feature allows you to narrate your slides, add annotations, and insert webcam video. You can then export your recording as a video file that you can share with your audience.

This article explains how to record your PowerPoint slideshow and how to share the recorded presentation via Teams or Zoom. We'll also give you some tips on how to avoid common pitfalls and glitches that you might encounter.

Here's our step by step guide to record a PowerPoint slide show:

  • Open your PowerPoint presentation and click on the Slide Show tab.

  • From the PowerPoint Set Up group, click on Record Slide Show button. You can choose to record from the beginning, or from the current slide.

  • A new window will open with your PowerPoint presentation in full screen mode. You will see a Recording toolbar at the top left corner of your PowerPoint screen if you are on a single monitor, or at the top of your main monitor if you are working on dual screens (as pictured in the screenshot below). You can use this toolbar to control your recording in PowerPoint, such as start, pause, stop, rewind, and forward. You can also use the pen, highlighter, and eraser tools to annotate your slides.

  • To start recording your PowerPoint presentation, click on the Record button (the red circle). You will see a countdown from 3 to 1 before the recording begins.
  • As you record, you can speak into your microphone to narrate your PowerPoint slides. You can also click on the Camera button (the camera icon) to turn on your webcam and insert a video of yourself in the corner of your slide.
  • To move to the next or previous slide, you can use the arrow keys on your keyboard or click the Next or Previous buttons on the Recording toolbar.
  • When you get to the end of your PowerPoint slideshow, you can export the video immediately by selecting export and following the prompts, or you can end your recording to review, before exporting to video format. To end your recording in PowerPoint, click the Stop button (the square icon) or press Esc on your keyboard.
  • You will be taken back to the normal view of your PowerPoint presentation. You will see a speaker icon and a camera icon on each slide that has audio or video recording. You can click on these icons to preview, edit, or delete your PowerPoint recordings.

  • To export your PowerPoint recording as a video file, click the File tab and select Export.
  • In the Export window, choose Create a Video from the menu on the left.

  • In the Create a Video panel, you can adjust the video quality, resolution, and file size. You can also choose whether to use recorded timings and narrations or not.
  • Click on Create Video and choose a location and a file name for your video.
  • Wait for PowerPoint to create your video. You can see the progress bar at the bottom of your screen.
  • Once your PowerPoint video is ready, you can play it with any media player or upload it to any online platform.

Troubleshooting issues that may arise when recording a PowerPoint presentation

If you want to record a PowerPoint presentation with narration, annotations, or video, you may encounter some issues depending on your device, software, and settings. Here are some common problems and how to fix them:

  • If your microphone is not working, make sure it is plugged in, turned on, and selected as the default recording device in your system settings (for example sometimes your monitor or webcam can also have a microphone, and the wrong device has been selected). You can test your microphone in PowerPoint by going to Slide Show > Record Slide Show > Settings > Microphone.
  • If your video camera is not working, make sure it is plugged in, turned on, and selected as the default camera in your system settings. You can also test your camera in the PowerPoint app by going to Slide Show > Record Slide Show > Settings > Camera.
  • If your annotations are not showing up in your PowerPoint recording, make sure you have enabled the pen and laser pointer tools in the PowerPoint app. You can do this by going to Slide Show > Record Slide Show > Settings > Pen and Laser Pointer Tools.
  • If your PowerPoint recording is not saving or playing back correctly, make sure you have enough disk space and memory on your device. You can also try saving your PowerPoint presentation as a video file by going to File > Export > Create a Video.

Can I share my recorded PowerPoint presentation via Zoom or Microsoft Teams?

If you have recorded a PowerPoint presentation, you can share it with your audience via Zoom or Microsoft Teams. Here's how to share your recorded PowerPoint presentation in both platforms.

How to share recorded PowerPoint Presentations via Zoom To share your recorded PowerPoint presentation on Zoom, you need to have the Zoom app installed on your computer and the PowerPoint file saved on your device or on OneDrive. Here are the steps to follow:

  • Start or join a Zoom meeting and click Share Screen in the meeting controls.
  • Select your primary monitor then click Share. If you are not sure which monitor is your primary, select the one that PowerPoint opens in.
  • Switch back to PowerPoint and click the Slide Show tab. Begin playing the recorded PowerPoint presentation by selecting the Play from Start or Play from Current Slide options.

  • If you have recorded narration or video for your PowerPoint presentation, make sure to check the Play Narrations and Use Timings option in the Set Up group on the Slide Show tab.
  • Your participants will see your PowerPoint presentation in slide show view with your narration and video playing along.
  • To stop sharing your recorded PowerPoint presentation, click Stop Share on the Zoom toolbar.

How to share recorded PowerPoint Presentations via Microsoft Teams To share your recorded PowerPoint presentation on Teams, you need to have the Microsoft Teams app installed on your computer and the PowerPoint file saved either on OneDrive or your local computer. Here are the steps to follow:

  • Start or join a Teams meeting and click Share content in the meeting controls.
  • In the share content menu ensure 'include computer sound' is turn on

  • Select Browse OneDrive or Browse my computer at the bottom of the 'share content' menu.

  • Navigate to the folder where you have saved your PowerPoint presentation file and select it.

  • To stop sharing, click Stop presenting on the Teams toolbar.

Troubleshooting issues when sharing recorded PowerPoint presentations via Teams or Zoom

If you want to share a recorded PowerPoint presentation with your audience via Zoom or Teams, you may encounter some issues that can affect the quality or the delivery of your presentation. Here are some common problems and how to solve them:

  • If your recorded PowerPoint presentation has audio or video embedded, make sure you check the option to share computer sound when you start sharing your screen. Otherwise, your audience will not hear the sound from your presentation.
  • If your recorded PowerPoint presentation has animations or transitions, make sure you play it in slideshow mode and not in editing mode. Otherwise, your audience will see the editing tools and the slides will not advance automatically.
  • If your PowerPoint presentation has hyperlinks or action buttons, make sure you click on them during the presentation and not before. Otherwise, your audience will not see the linked content or the action result.
  • If your PowerPoint presentation is too large or has high-resolution images or videos, make sure you compress it before sharing it. Otherwise, your presentation may lag or freeze during the presentation due to bandwidth limitations.

Learn how to share a video with audio on a plethora of devices, such as a Windows PC, Mac, Android, iPhone, iPad, and Chromebook. We’ll also show you how to share video without audio.

How to Share a Video With Audio on Microsoft Teams on a Windows PC?

One important thing to know is that Microsoft Teams doesn’t play videos with audio by default on a Windows PC. Here’s how to change that:

Note: Even if the audio on your PC is muted, other members on the call will be able to hear your audio once you complete these steps.

How to Share a Video With Audio on Microsoft Teams on a Mac?

Simply follow these steps:

  • Log in to Microsoft Teams .

  • Once turned on, all audio from your computer will be shared with the meeting members, including your computer notifications.
  • The first time you want to include the computer sound in your meeting, you will encounter a wizard that will ask you to install the driver.
  • Click on the Install button.
  • Once you click this, you will see a spinner next to the Include computer sound button. Don’t worry; this will only take a few seconds.
  • You will receive a notification when the installation is finished.
  • After installing the driver for the first time, you will need to pause the video you were playing in your meeting and play it again. This is so the driver can start working.
  • If the driver doesn’t install, which is a rare occurrence, just turn off the Include computer sound button and turn it back on again.
  • Try installing the driver again by clicking on the Install button.
  • You can start sharing your screen even before this installation is completed. Once it’s finished, you will receive a notification, and your audio will be shared, too.

How to Share a Video With Audio on Microsoft Teams on a Chromebook?

Here’s how:

  • In the online meeting, click on the Share icon.
  • In the meeting controls, you will see Include system audio with a little box next to it.
  • Click on the box to turn on the system audio.

How to Share a Video With Audio on Microsoft Teams on an iPhone?

Unfortunately, it is not yet possible to share system audio on an iPhone directly from Microsoft Teams. However, Microsoft is working on incorporating that feature in the later versions of the Microsoft Teams app.

However, there is another way to share your video with audio through screen mirroring. Here’s how to do that:

  • First, you need to install a mirroring app on your computer and phone. For the purposes of this article, we will explain how to share a video with audio using the Reflector app. You can use different mirroring apps if you prefer since the process is similar.

  • Find the name of your phone and select it.
  • Make sure to have the system audio on in your Microsoft Teams so that you can share the sound from your phone.

How to Share a Video With Audio on Microsoft Teams on an Android Phone?

Same as with the iPhone, it is not yet possible to share system audio on an Android phone directly from Microsoft Teams. However, there is a similar workaround.

Here are the steps:

  • In the Quick settings dropdown, select the Screencast or Cast option.
  • From the list that shows up on your phone, choose the name of your computer.
  • You have to turn off the features Fullscreen and Always on Top in the Reflector app on your phone. This is important for the app to work well in Microsoft Teams.
  • Make sure to have the system audio on in your Microsoft Teams so you can share the sound from your phone.

How to Share a Video With Audio on Microsoft Teams on an iPad?

As with the iPhone and Android devices, the system audio option isn’t yet available in Microsoft Teams directly. However, there is a similar workaround.

Just follow these steps:

  • First, you need to install a mirroring app on your computer and iPad. For this article, we will explain how to share a video with audio using the Reflector app . You can use different mirroring apps if you prefer since the process is similar.

  • Open the Reflector app on your iPad.
  • Access Control center on your iPad.
  • Select Screen mirroring .
  • Browse through the receivers list and find your computer’s name.
  • You have to turn off the features Fullscreen and Always on Top in the Reflector app on your iPad. This is important for the app to work well in Microsoft Teams.
  • In Microsoft Teams, click on the Share icon.
  • Find the name of your iPad and select it.
  • Make sure to have the system audio on in your Microsoft Teams so you can share the sound from your iPad.
  • Additionally, in the Settings of your iPad, make sure to turn the System audio option on so you can share your audio correctly.

Microsoft Teams: share audio from the computer during a meeting

Microsoft Teams has a screen sharing feature and a presentation mode for meetings. Both make it simple to share content from your local system with other users. The feature isn’t limited to sharing a screen or file but also extends to audio. If you’re in a Microsoft Teams meeting, you can share audio from the computer instead of the mic.

Microsoft Teams: share audio from computer

When a user joins a meeting, they have the option to choose which audio to use. The audio can come from the mic on your system (or the headphones), or it can come from your computer however, it is limited to audio from the input/output devices on your system and does not extend to apps that can play audio.

Share computer audio in Microsoft Teams

To share computer audio in Microsoft Teams, you must also share the screen or an app, the choice is yours but entering screen sharing mode is imperative if you want to do this as simply as possible.

  • Open Microsoft Teams.
  • Start or join a meeting .
  • Once the meeting has started, click the share screen button at the top right.
  • Select an app or the desktop to share.
  • Turn the ‘Include computer sound’ switch on.
  • Audio from your computer , regardless of which app is playing it, will be streamed to everyone in the meeting.

Note: you can also share audio from the computer if you’re presenting a PowerPoint.

Limitations

Audio sharing in Microsoft Teams has limitations if you stick to the app’s built-in tools.

  • You cannot selectively share audio; once audio has been shared, all audio from your computer will be heard in the meeting.
  • Outside of screen sharing, there is no way to share audio from the computer.
  • You cannot share audio from the computer if you are using the Whiteboard app.

If you want to share audio from your computer, but do not want to use screen sharing, you will need to route audio from an app so it can be heard through the mic. Use an app like Synchronous Audio Router which is free and open-source. Setting it up will take a little time and you must set it up before you join a meeting.

When you join a meeting, Microsoft Teams gives you the option to choose which audio you want to use and one of the options is Computer. This option is misleading since it suggests that you’re sharing your computer’s audio when you are, in fact, choosing to use the speakers and mic on your system for the call. The option to share audio from the computer is hidden.

Visme offers dozens of free audio clips you can attach either to individual slides or set as background music for your entire presentation. If you've subscribed to a paid Visme Plan, you'll have access to all of the free audio files in the library.

To create your voice over slides, you can also upload your own audio file from a voice actor or record your voice over directly in Visme.

5 Attach an Audio File

To attach an audio file to the current slide, click on the gear icon next to it and select "Attach to Current Slide". You can preview each clip by clicking on the Play button next to it.

If you decide to choose another file or want to remove an audio clip from a slide, you can detach it by clicking on the gear again and selecting "Detach."

6 Record Your Voice Over

Here’s how to do a presentation with voice over using Visme.

Record your own audio by clicking on the "Record" option to the top right of the "Add Audio" tab. Once chosen, you will see a red record button appear below your slide.

To start recording your own narration within Visme, simply click on the red button and speak into your microphone. Make sure your microphone is working properly before recording.

You can preview your recording before saving it to the library by clicking on the Play button. Once you're satisfied with your recording, click on "Save to Library."

Your audio will automatically be converted to MP3 format, added to your Audio Library and attached to your current slide. You can then rename it by double clicking on the file name or detach it from the slide by clicking on the gear and selecting "Detach."

7 Customize Audio Settings

If you’re looking to make an audio presentation, the process is super easy. After adding your video to the library, you can customize how it is played.

To customize the way your audio presentation is played, simply click on "Audio Settings" at the top. You'll see options at the bottom to trim your clip or adjust more settings by clicking on the gear icon.

In Visme, you can also customize the time your audio takes to fade in and out. For example, if you want your audio to quickly fade in at the beginning, you can set it for 1 second. Or, if you want your audio to slowly fade out, you can set it for 3 or 4 seconds.

Also, you can set the time at which your audio will begin. If you want your narration to start 5 seconds into your presentation, you type in a value of 5 in the "Start Playing After" setting.

You can also reduce or increase the volume of your audio by inputting any value up to 100%. Finally, you can have the audio loop automatically by enabling the "Loop Audio" setting.

The advantage of having the option to tweak the settings for each individual audio track is that it allows you to customize it according to the content presented on each slide. For example, for slides with long animations, you might want to enable the "Loop Audio" setting.

8 Preview Your Audio

To see if your audio narration or voice over is effectively complementing your visuals, select the "Present" option at the top-right corner of the screen to preview your slides.

9 Add Background Music

Along with your audio narration, you can add background music to your presentation.

Click on "Share" at the top of your screen and select "Advanced Settings" at the bottom-right of the window. Click on the "Sound" tab and then enable the "Background Music" setting.

Here, you'll be able to select your uploaded or recorded audio file from the drop-down menu or choose one of the free audio clips from the library.

10 Publish Your Project

Once you're satisfied with your voice over, you can share your presentation with the world by clicking on the "Share" button at the top and then choosing one of the three options below:

  • Publish for Web:  This will publish your Visme project on the web and generate a shareable link, which will enable anyone on the internet to find and access your presentation.
  • Share Privately:  This will generate a private link to your Visme project that you can share with specific people.
  • Embed:  This will generate an embed code for your presentation that you can add to your web pages or email.

You can also choose to download your narrated presentation as an HTML5  or editable PowerPoint file to present offline or share with a pre-recorded voice over.

Share your PowerPoint presentation with others

Select  Share .

If your presentation isn't already stored on OneDrive, select where to save your presentation to the cloud.

Choose a permission level, like Anyone with a link , or maybe just people in your company. You can also control if people can edit or just view the doc. 

Select  Apply .

Enter names and a message.

Select  Send .

You can also copy the link and then paste it in an email, social media post, or even a text message.

Share by using a traditional email attachment:

If you don't want to share a document with others to collaborate on, simply use a traditional email attachment to send the presentation to others.

From OneDrive for Business or SharePoint, share a PDF or copy of a presentation by email

This feature is only available if you have a Microsoft 365 subscription . If you are a Microsoft 365 subscriber, make sure you have the latest version of Office .

To send your presentation as a copy or a PDF, select Share .

Select either PowerPoint Presentation or PDF .

The attachment options for sending a presentation in email are: presentation or PDF

PowerPoint will open the email application and attach the file to a new message. Enter the recipients details and a short message, and click Send .

From OneDrive, share a PDF or copy of your presentation by email

PowerPoint will open the email application and attach the file to a new message. Enter the recipients details and a short message, and click Send .

You can share or co-author a presentation in PowerPoint for macOS. If you allow others to edit your presentation, changes they make will be merged into the original presentation. If you want to share your presentation, you can:

Invite people to view or edit the file located in the cloud, like your OneDrive.

Send a link to your file saved to the cloud.

Send a copy of the file as an email attachment.

Invite people to view or edit your presentation

Save your file to the cloud and then invite people to view or edit it. That way, whenever you update your file, everyone you share with will have the latest version.

In the upper right corner, click the Share icon and then click Invite People .

If the file is on your device, you'll be asked to upload the file to the cloud first.

Invite users by adding their email addresses to the invite field. When adding names for the first time, PowerPoint will prompt to access your Contacts.

To allow your users to edit the file, click the Can Edit check box. Add any comments in the comments field and click Share .

The recipients receive an email with a link to the shared file.

Share a link to your presentation

You can copy the link to your presentation and paste it in another shared file or email to the recipients.

In the upper right corner, click the Share icon and then click Copy Link .

Send your presentation as an email attachment

If you don't want to save your file to the cloud, you can share it as an email attachment.

In the upper right corner, click the Share icon and then click Send Attachment .
