1. Get the Software

If you don’t already have PowerPoint, you will need to download it. Microsoft PowerPoint is part of Microsoft 365 . This is a subscription service, so it does come with a cost.

A free alternative for working with PowerPoint files may be Google slides .

If you choose to download PowerPoint, first make sure your computer will be able to run it: 

  • Windows Users: Check that your computer is running Windows 10 or higher that your system has the required hardware specifications to run PowerPoint smoothly.
  • Mac Users: Confirm that your Mac is running a version of macOS that supports Microsoft’s software .

2. Connect to the Internet

This may seem obvious, but it’s good to make sure you have a reliable internet connection before you try to download anything. 

3. Download Your PowerPoint Presentation

Once you’ve got PowerPoint or Google slides set up, you’re ready to download PowerPoint presentations.

First, find the PowerPoint you want to download. This could be in an email, on a website, or on a platform like Google Drive or OneDrive . 

Next, make sure you have access to the file and permission to download it. For some websites, you may need to create an account and login.

While each email provider is a little different, the basic steps for downloading a PowerPoint are the same:

1. Open the email that contains the PowerPoint presentation.

2. Click on the Attachment icon to download the file.

3. Once the file is downloaded, click on it to open it with PowerPoint.

4. To save a copy of the presentation, click on the File tab. 

5. Select Save As and choose where you want to save the file.

6. Give the file a name and hit Save .

You can download a PowerPoint presentation from a website in just a few steps:

1. Right-click the presentation link or select File if you are viewing the presentation.

2. Select Save As .

1. Open the appropriate website and sign in to your account.

In order to deeply understand this presentation design software, you need to recognize its main components. Now it's time to learn about the PowerPoint basics!

A quick note before going any further: when opening PowerPoint, some of the commands in the ribbons will look grayish and won't be highlighted when you hover the mouse over them.

This happens since some commands need to be selected in order to function. For example, if you want to change the color of a text, you first need to select it.

That being said, let's start with this Guide for PowerPoint beginners:

PowerPoint Main Window

The first aspect to learn is PowerPoint Main Window. To facilitate the explanation, we've organized its main elements with numbers from 1 to 10:

Based on that, the main components of PowerPoint window are the following:

1. Quick Access Toolbar: allows you to customize commands to have them at hand. You only have to select it and go to "More commands."

2. Title Bar: shows you the name of your file and other "Suggested options" like Slide Master View . These options will vary depending on the use you give to the commands.

3. File Tab: you will see the Home Menu (PowerPoint backstage) by selecting it. There, you can create a new presentation, save it, print it, export it, and many other options.

4. The Ribbon: it's where PowerPoint tabs and tools are. These tools can also be called "commands" or “features.”

5. More Button or Down Arrow: these arrows allow you to view more tools or layout options in PowerPoint.

6. Slides Pane: shows your slides in thumbnail size. By right-clicking, you can access additional options for customizing each slide. Perfect for PowerPoint beginners!

7. Slide: PowerPoint's blank canvas and the frame to be seen when presenting the file.

1. Home Tab

  • First, choose an image you want to cut and insert it into your workspace.
  • Once inserted, select it with the mouse.

  • Press the arrow of the "Crop" button (right side of the screen).
  • Select "Crop to Shape."

If you go online and search for it, many of the search results you get are misleading, so we thought it would make a good idea to show you a few ways in which you can download PowerPoint safely, straight from Microsoft:

If you have a valid Office 365 subscription or if you want to install a trial version of Microsoft's productivity apps, including PowerPoint, open your favorite web browser and visit office.com . Click or tap Sign in .

If you're looking for the free PowerPoint, this is the method you should use.

If you do not like subscriptions and you preferred to buy a license for Microsoft Office 2019, 2016 or 2013, use this method to download PowerPoint on your PC: open a web browser on your PC and visit setup.office.com . Once it loads, click or tap Sign in and authenticate using your Microsoft account, or create a new one if you do not have one already.

If you have a retail license for Microsoft Office 2019, 2016, 2013, or 2010 and want a faster way to download PowerPoint, you should consider using the Microsoft Windows and Office ISO Download Tool . Canvas Rearranges Design Elements when Uploading

If you are a college student and you create a PPT on Mac and you save and then upload itt as an assignment on Canvas, a lot tof tthe design elements get moved around and it makes a mess of the presentaion. pics and texts boxes are no longer where you placed hem, so your design looks bad. What I have to do no is export the presentation to a PDF an dupload that as the assignment, and then email the instructor to tell them that Canvas is wrecking my presentaion so I sent a pdf instead. My college moved from Moodle to Canvas last year and I have had this trouble ever since. When the PPT presentation is saved as a PDF, you lose all the extras you added like voice narration and sound effects, music, notes, etc.
You're getting better but the product still has many frustrating parts. For instance the open folder is now gone on this version and on other versions I use with different customers, it's there and useful. The library of icons and art that you can use is also lacking. Why don't you allow all the types of icons that Visio uses? It would make it usable. Also, the section part is great but it's clumbsy and when you open you always have to collapse. Why can't you select a flag that lets you open collapsed. that would make the tool much more usable. Integration with teams is still terrible and with email if the product is open, you can't send the file. Why? just version it and send. Theres' much more but it's useful but not a product that has the power of things like Lucid, or visio, but it could be much more usable, so you get a three for teasing me with function and ideas, then falling short when I try to use it my way as the main unit. It's keeping this type of work, design and developent documentation, a dark art...who knows maybe AI might help you.

Printing Slides is a Joke

To my knowledge, this is mainly an issue with PowerPoint for Mac as my colleagues who use PCs don't have this issue. When you go to print the slides, they look fine if there are multiple on a page or if you print the notes version, but if you try to print 1 slide per page the images blur when printing! And not just a little fuzzy, they turn out with lines going through them and just look like they never completed loading. This also happens when exporting to a PDF. The PDF looks fine on the screen, and then as soon as you go to print it, a random image will blur out like that. Is it the same image everytime? NOPE! It picks and chooses which image it wants to blur out each time it prints. There is no rhyme or reason to this issue. I exported to PDF, Exported each slide to jpeg, even took screen shots as a last resort and had to just deal with the fact that the color was completely different on the printed screen shot slides. This has been an issue for MONTHS and is all over every forum - the fact that this hasn't been addressed by the MS team is unacceptable! If I'm printing client copies of proposal presentations it shouldn't take me all day due to troubleshooting!

1 Review Security Settings

If you're using Windows, a feature known as Protected Views may have mischaracterized your content as a potential security threat, prompting the content error. If you are uncertain about the file's risk level, first scan the file with Microsoft Defender . If there’s nothing wrong with the file, you can temporarily turn off protected views.

  • Open PowerPoint.
  • On the application's home screen, select Options from the left-hand panel.
  • Select Trust Center > Trust Center Settings .
  • Click on Protected View .
  • Uncheck the Enable Protected View for files originating from the Internet and Enable Protected View for files located in potentially unsafe locations options.
  • Click OK to save the new changes and try to open the .ppt file.

There is always some degree of risk when disabling features like Protected View. Once you've fixed your issue, always re-enable those security settings.

Alternatively, Windows users can add the .ppt file to PowerPoint’s Trusted Locations. Again, this method should be reserved for .ppt files coming from a reliable source. From Trust Center Settings :

  • Click on Trusted Locations in the left pane.
  • Click Add new location > Browse and select the .ppt file’s location.
  • Click Add > Save .

If you are on a Mac operating system, you won't find PowerPoint features like Trusted Locations or Protected View. Instead, you can manage PowerPoint's file access in your Mac's Privacy & Security settings:

  • Open Settings > Privacy & Security > Full Disk Access .
  • Select the + icon . Because this is a security setting, you may be prompted to enter your password.
  • Select Microsoft PowerPoint from your applications and click Open .
  • A dialogue will prompt you to Quit & Reopen the application in order to give it full disk access.

Lastly, make sure the PowerPoint file isn't locked. Right-click on the file in Finder and select Get Info . Under General, review the Locked checkbox.

2 Repair the Presentation

You can also assess whether a corrupt file is causing the content error by trying to open the PowerPoint presentation from another device. If you still face the same issue, you can attempt to repair the file.

Windows users can do this using PowerPoint's built-in tools. Just launch PowerPoint and click Open . There, browse to the presentation location, extend the Open menu, and select Open and repair .

If you're on a Mac, you can potentially repair a corrupt file if you know how to use Disk Utility . Find this tool in your Applications > Utilities > Disk Utility, and run the First Aid function on the disk where your file is located. The utility will flag if any disk errors might have caused your file to become corrupt, and offer solutions to repair the file system.

3 Restore an Older Version

If PowerPoint or Disk Utility tools weren’t able to fix the corrupted file, you can look for a previous version of the presentation. Even if you didn't explicitly save an older version, Windows and Mac devices might have an automatic backup on file for you.

Windows' backup tool is fittingly called File History. There are many ways to access the File History feature on Windows 11 . From File History , simply locate your file and restore a previous version.

To use File History, you need to have it enabled beforehand. Otherwise, you won't be able to restore an older version of the PowerPoint file. However, now's a good time to enable File History to prevent future mishaps.

Alternatively, locate the troublesome presentation directly from your File Explorer window. Right-click the file and select Show more options > Restore previous versions . If there is an older version listed, go ahead and restore it.

The Time Machine feature can be your best friend if you're using a Mac. Apple's support page recommends first opening the folder containing the file you'd like to restore in Finder. Then you can use Launchpad to open Time Machine and select the presentation. If there is a backup, there will be an option to Restore it.

4 Download or Move the File Location

A PowerPoint presentation stored in a synchronized, cloud-based folder or a temporary file system could also cause content errors. If you received the presentation by email, for instance, try to download the file again. Ensure it's in your local Downloads folder, on your Desktop, or in a specified folder related to your project.

If you work with a synchronized folder system like Google's Drive for Desktop , you can try copying the .ppt or .pptx file from that cloud folder to your local drive. Then, try opening the presentation again.

5 Open and Export From Another Program

Sometimes, if a .ppt or .pptx file does not open in PowerPoint, it will open in another similar program. Because apps like Keynote and Google Slides are equipped to import PowerPoint files, try to open your finicky presentation in one of those programs.

Here is how to open a PowerPoint file in Google Slides , a browser platform available on any operating system:

  • Log in to Google Drive and select New > Google Slides .
  • Select File > Open and navigate to the Upload tab.
  • Browse to or drag in your PowerPoint file, and Google will convert and open it as a Google Slides presentation.
  • From here, feel free to continue your work in Google Slides. Otherwise, re-export it for use in PowerPoint by selecting File > Download > Microsoft PowerPoint (.pptx) .

If you use a Mac, you can also use the Keynote app to open a PowerPoint file, and the steps are very similar.

6 Update Microsoft 365

Lastly, Microsoft 365 apps don’t always work properly if you haven’t updated them in a while. In this case, you should update Microsoft 365 to the latest version available. Depending on your operating system, there are a couple of different ways to do this.

On Windows, launch any Microsoft 365 app and select Account from the left-side panel. There, click on Microsoft 365 and Office Updates menu and select Update now .

On Mac, it's just as easy. Again, open a Microsoft 365 app and click on Help > Check for Updates . This will launch an update if there is one available. To save time later, you may also choose to check the box to Automatically keep Microsoft apps up to date .

Not everyone can take advantage of an email address through an academic institution to get the Microsoft Office suite at no cost. Thankfully, anyone can get a one-month free trial of Microsoft 365. There are still benefits to the free version, including the ability to share links to your work and collaborate in real-time, similar to what the Google Workspace (formerly G Suite) productivity tools allow.
