If you’ve ever touched a PowerPoint slide, chances are that you’ve already used PowerPoint graphics already.

But you may have questions: How do you find good graphics? How do you manipulate them correctly? And how do you customize them?

That’s what this article will answer for you.

What is a PowerPoint graphic?

There seems to be a wide range of things that people label as a graphic for PowerPoint.

Here at Nuts & Bolts, we define a graphic in PowerPoint as any image that is not a picture. This includes SmartArt, which is a type of native PowerPoint graphic and has special attributes.

A PowerPoint graphic most typically refers to a grouping of shapes into an image, commonly referred to as vectors.

From PowerPoint’s perspective, vectors are considered to be shapes – and that means that you can customize them as you would any rectangle, circle, or freeform shape… giving you complete freedom to create the visual you need.

Vector graphics can come in the following file types:

  • EPS (Encapsulated PostScript – create by Adobe – this is perhaps the most common vector image format)

However, PowerPoint will only accept certain file types. To see which ones, go to the section on how to use vectors in PowerPoint below.

Why use a graphic in PowerPoint

As the representation of an idea, a graphic is the perfect way to help your audience immediately visualize and grasp a concept you are sharing with them.

On top of that, it’s a great way to add some flair to any presentation and a quick way to take it up a notch.

Graphics can be better than pictures in some situations, when you need to be able to edit elements in a visual. For example, maybe you need to remove, add or re-color a certain item.

You cannot do this with pictures – but with the right graphic (and in particular a vector graphic), you could potentially customize it to your heart’s content.

Where to get free graphics for PowerPoint

Getting free graphics for PowerPoint is easy – you just have to know where to look.

Here are our favorite 2 places to find free vector graphics for PowerPoint:

  • Freepik – Great database with tons of very high-quality and modern icons, flat icons, vectors, and PSD files to use. Freepik does require you to give them credit if you use their material, but they make it very easy with a simple html code.
  • Pixabay – Awesome site for 100% free and Creative Commons CC0 licensed images, illustrations, vectors, and videos.

To learn where to get more free PowerPoint graphics, images, videos, etc. check out this list of  our favorite PowerPoint resources . Another way to get free vector graphics is to create them from scratch. There are two tools that can help you do this:

  • Text-to-Outline by YouPresent – Allows you to convert text into vectors/shapes, which you can then format any way you like in PowerPoint.
  • Vector Magic – Creates a vector out of any image…truly magic!

Keep in mind that because these are all free methods for finding vector graphics for PowerPoint, you will be limited in what you find or create. If you want a very specific and professional-looking vector, you may have to go to a paid service to purchase well-designed graphics that suit your need better.

Where to buy graphics for PowerPoint

By far the easiest way to get professional & unique graphics onto your slides (especially now that ClipArt is gone) is to use a service like GetMyGraphics .

They are custom-built graphics designed for PowerPoint. All you need to do is download and insert them onto your slide and then tweak them like you would SmartArt.

Although this is a paid service, we’ve found that we’ve reused these graphics again and again, so we see it as a good investment in sharper looking slides.

How to use vector graphics in PowerPoint

Using vectors in PowerPoint depends on what file type you have. If you have an older version of PowerPoint (2013 and earlier), you can insert the following vector files types into PowerPoint:

If you have Office 365, you can no longer insert EPS files. However, you can still use EMF files, and you can also insert SVG files (except for on a Mac).

If you have an EPS file and can’t import it into your version of PowerPoint, check out our article on how to import EPS files into PowerPoint .

Note:  If you’re trying to use a file type that is not supported by your version of PowerPoint, you can try converting your file into the correct file type.

Once you have an SVG file downloaded onto your computer, you’ll want to insert it into your presentation.

There are two ways to insert a vector file onto your PowerPoint slide:

Method #1: Drag the file from wherever it is sitting on your computer and drag it onto your slide.

Method #2: Go to the Insert tab in the Ribbon and select ‘Pictures’ (make sure to select the ‘Pictures’ icon and not the ‘Online Pictures’ icon). Then find your vector file and click on ‘Open.’

Note: If you have PowerPoint 2016 with Office 365, you have a new object class, called Icons. These are also vector files (SVG).

You can insert them by going to the Insert tab in the Ribbon and selecting ‘Icons’ (or using this shortcut: Alt, N, Y1). You can learn more about the icons feature in this Office blog article .

Once you have a vector file inserted on your slide, you can manipulate its various pieces.

To do that, you’ll need to ungroup it twice. To ungroup a vector image, select it and then use one of the following methods:

  • Hit the ungroup shortcut: Ctrl + Shift + G
  • Right-click the vector and select ‘Group’ and then ‘Ungroup’
  • Go to the Drawing Tools > Format tab in the Ribbon, select ‘Group’ and then ‘Ungroup’

A pop-up box will appear, asking you if you want to ungroup it. Click on ‘Yes.’

And now you have a series of shapes (instead of a picture) that you can edit and format however you like, just like for regular PowerPoint shapes.

Note:   Keep in mind that some things might come out strangely as vectors in PowerPoint:

  • Gradients and shadows
  • Lines (the lines will likely come out as one object and may lose their original weight)
  • Complex artwork, such as sketching and other artistic effects

Some things you can do with your vector images now include:

  • Change the fill color
  • Add an outline with a custom weight
  • Move and resize pieces of the vector
  • Edit the points of certain pieces to change even the shape of it

A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
  • Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.

How to Create Graphics in PowerPoint with Smart Art

Are you ‘graphically challenged' when it comes to designing images for your courses and other content?

Or maybe you're just short on time?

Well, there's one easy solution that might already be sitting on your computer – PowerPoint.

We use PowerPoint all the time to create graphics for blog posts, infographics, course illustrations, Facebook Ads, overviews of processes, etc.

There's a lot of untapped power in PowerPoint that you probably didn't realize. But for this tutorial, I'm going to focus on one feature that's in version 2010 and later.

NOTE : If you're still using a version of Office earlier than 2010, think about updating it if you use it on any type of regular basis. Otherwise, the visual concepts here still hold, but it would take you a lot longer to create the examples I'll show.

Video Tutorial: Creating Graphics in PowerPoint with Smart Art

In the following video tutorial, I walk you through the steps for taking some text from one of our course books and creating a graphic that illustrates those key points. I used Office 365, so if you have a different version the location of some menu items might be different. But it shouldn't be a drastic difference.

As for the text I picked to use in the demo graphic, you can find that in our ready-to-teach course called ‘ Start Your Own Business: Step-by-Step ‘.

To recap the video, the detailed steps you'll follow to create your graphics are:

Step 1 – Create a Blank Presentation

Set the Layout of your slide to ‘blank', so there's nothing to interfere with your graphic. Alternatively, you could select one that has title and content, so that you can put the title of your graphic above it.

Step 2 – Set Up Your Brand Design

Make sure you have your brand theme colors set up in the Colors section (right-hand drop-down under ‘Design' tab). That way, any graphics you create will already have your branded look.

Step 3 – Pick or Write Text for the Graphic

Decide on the text you want in the graphic. You can grab some bullet points, lists, processes, or other short content from your Course Book or Cheat Sheet in any of our programs as a great source of text.

Step 4 – Select a Smart Art Design Layout

Click on ‘Insert', then ‘Smart Art' to see all the layout options. If they aren't all showing, click on ‘More Layouts' at the bottom of the list of options.

You'll see they're categorized by type – List, Process, Cycle, Hierarchy, Relationship, Matrix, Pyramid, Picture, and more on Office.com. The ones under ‘Picture' have a place to insert images or graphics right inside your Smart Art.

Look for one that fits with your text and don't worry if you don't like it the first time around. You can easily switch to a different layout at any time.

Step 5 – Insert Your Text

You can type text directly into different parts of your graphic, or click on the little arrow on the left side to open the text box.

Use your Tab key and Backspace key to change the level of text, so that the text goes where you want in the different graphic elements.

At this point, you may decide to change the layout of your graphic to something completely different. You can do that in your design tab, being sure to click on More Layouts to see everything available.

You can also add extra text or shapes outside of the Smart Art graphic by clicking on Insert > Text Box or Insert > Shape

Step 6 – Adjust the Colors

The default Smart Art will probably use just one color, but there are other options built in. I like to have multiple colors where possible.

To do that, click on Design in the Smart Art Tools (you'll see that option when you have the graphic selected with your mouse). Then click on ‘Change Colors' to see all your options.

You can also manually change colors of different elements if you don't like the options PowerPoint gives you. Just highlight the element or text you want to change and edit it the way you would with any text or shape.

Step 7 – Save as an Image

Once you're happy with your new graphic, save it as either a .png or .jpg image. You can also save it as a pdf, which is great for printable graphics.

Go into File > Save As and find the file type you want in the drop down. If you click on ‘save just this slide', you'll save that one slide as an image. If you have multiple slides with graphics, you can save them all as separate images. They'll show up in one folder.

NOTE : You can create graphics of any size, such as an infographic, by setting your Slide Size. That's in your general Design tab over on the right hand side.

1. How to insert graphics into PowerPoint

Once you’ve created your presentation it’s time to add those all-important PowerPoint Graphics. And it’s easy, easy, easy.

Step 1: Go to the slide and create a space for your graphic Step 2: Go to insert on the toolbar at the top of PowerPoint, click on it Step 3: This will open up insert options depending on your version of PowerPoint ( 2019 reveals online pictures, photo albums, pictures, or screenshots, older versions are similar but replace online pictures with clip art.) At the same time, developing an interview portfolio allows you to see how well your qualifications match the job requirements of your interest. While expanding your interview portfolio, choosing work samples and skills that show you are a good fit for the job you want is important. You can even make different portfolios for jobs you’re interested in [2] . By reflecting on various skills for a job, you might realize there are some skills you need to work on. A portfolio helps you to figure out exactly which skills you need to improve. This can enhance your confidence during the interview, and you can talk more confidently about your goals.

Another vital element of your interview portfolio is your resume and cover letter. A resume summarises your career path, focusing on essential skills, experiences, and accomplishments. On the other hand, a cover letter is a personalized message expressing your interest in a particular job. Both are submitted together.

In a resume, you should highlight your information in an organized and professional manner.  At the same time, you have to customize your cover letter based on the specific requirements of each job you are applying for. Your cover letter highlights how your background aligns with the job posting requirements. This includes explaining your interests in the company that will contribute to its success [4] . Therefore, it would be great to elaborate on relevant points from your resume and express how you would be a valuable addition to their team.

Certifications in interview portfolios

We suggest choosing projects or assignments that show your skills and achievements relevant to the position you’re applying for.  Provide a reflection statement for every sample included in the portfolio [2] . This statement should briefly describe the sample item and the context in which it was created. Additionally, the reflection statement should offer a detailed list of the competencies developed by the sample. This part of the reflection is crucial as it details the specific skills and abilities highlighted by each portfolio element. Thus, a work sample is a valuable tool in the interview process.

Software developers may include code samples or links to GitHub repositories highlighting their coding proficiency. Network administrators would select diagrams or documentation outlining infrastructure projects they’ve managed.  It is essential to annotate each work sample to provide context and highlight your contributions.

For Example:

John’s work samples include a web application he developed using React.js and Node.js, demonstrating his proficiency in full-stack web development. He also includes a case study detailing a network infrastructure upgrade project he led, highlighting his ability to design and implement scalable IT solutions.

A strong endorsement from a trusted source can significantly enhance your credibility and make a positive impression during the hiring process. Compared to references, recommendations are more in-depth [5]. A reference agrees to provide you with a positive recommendation for a job or program.

You can choose references who are familiar with your recent work. They can provide specific examples of your strengths and accomplishments. An excellent option for a reference could be your current supervisor, colleague, or professor from your college [6] . Meeting Time: 09:45 AM‑11:00 AM  Instructor: Abhishek Chandra Course Description: In recent years, there has been a dramatic increase in the pervasiveness, scale, and distribution of computing infrastructure: ranging from cloud, HPC systems, and data centers to edge computing and pervasive computing in the form of micro-data centers, mobile phones, sensors, and IoT devices embedded in the environment around us. The growing amount of computing, storage, and networking demand leads to increased energy usage, carbon emissions, and natural resource consumption. To reduce their environmental impact, there is a growing need to make computing systems sustainable. In this course, we will examine sustainable computing from a systems perspective.
