Create a Pie Chart in PowerPoint

Begin by adding a new slide  using the  Title and Content  slide layout. Then, select the  Insert Chart  icon (it's the middle icon on the top row of the group of six icons shown in the body of the slide layout).

Another way to add a pie chart is to choose a blank slide in your presentation and select Insert  >  Chart .

Choose a Pie Chart Style

In the Insert Chart dialog box, select Pie and choose a pie chart style. There are several style of pie charts. Options include flat pie shapes, 3D pie shapes, and pie charts with  exploded pieces . Select OK  after you have made your selection.

The pie chart styles and colors can be changed after the chart is created.

When you create a pie chart on a PowerPoint slide, the basic chart appears on the slide and the chart data appears in a worksheet window.

If you don't see the worksheet window, select the chart and select Chart Tools Design > Edit Data .

You'll use the worksheet window to enter data for the pie chart by replacing the default data.

Edit the Pie Chart Data

Pie charts display comparative types of data, such as percentage figures for how much each of your monthly household expenses takes from your income. However, pie charts display one type of data, unlike column charts or line charts.

To edit the data in the worksheet window:

Select the worksheet window to make it the active window.

To add new data rows, drag a corner handle of the highlighted data set.

After you change the generic data to your own specific data, the information is immediately reflected in the pie chart. Add a title for your slide into the text  placeholder  at the top of the slide.

What Is a Pie Chart?

A pie chart is a ready-to-use diagram for organizing and displaying data by the percentage of a total. It is a chart representing the entirety of the data with a circle. Inside this circle are sections, or “slices” that symbolize the different categories within the data.

This allows users to see the difference and relationship to different dimensions (like bananas, apples, pears, strawberries, etc.) within a particular context.  The numerical data of each slice is typically divided into percentages of the overall sum of the chart. This means that each slice represents the value’s percentage or number. –

Pie charts can be a useful tool for information display and comparison , especially if the goal is to compare the size of a slice to the entire pie rather than to compare slices individually.

When Is a Pie Chart Used?

Pie charts are used when working with categorized or grouped input data. These charts are the ones that are chosen for presentations and are often used in offices, schools, and other organizations to convey data.

Using a pie chart is a good option when there are less than six pieces of recorded information and it is not necessary to address any changes in the data. If the data falls into multiple categories, a pie chart can be used to compare them while designating a different color for each category.

Pie charts are used to display the percentage of a total . All divisions of the pie must add up to 100%. Each slice or section will display its percentage of the whole.

Pie charts are simple to understand and easy to read, making them useful tools for displaying different components of data.

This makes them the most effective type of visual for illustrating a part-to-whole relationship. One sign that a pie chart might be the right solution for you is when you’re able to apply a percentage to your data. In other words, if you can categorize your data into “percent of” or “part of” a whole, a pie chart is the way to go.

Four of The Best Practices When Using a Pie Chart

Pie charts are one of the most popular and most despised charts in the business world. If it’s used incorrectly, the visual depiction can become deceiving. Let’s go through a few ways to avoid errors and make the most out of your pie chart.

  • Don’t use more than 6 sections.  Pie charts with more than six slices might be hard to follow. Additionally, having smaller slices next to each other makes it difficult to see the difference in their size. It might also be difficult finding different colors for all the slices. There are varying opinions on this, but if you have more categories than six, you might want to consider using a different sort of chart. Another choice is to combine little slices into a single “other” slice that is grey or dull in hue.
  • Organize your sections in a clockwise motion from biggest to smallest. Users can better understand the data if the slices are presented in size order. When there are categories with values that are quite comparable, a common ordering that goes from the largest slice to the smallest slice is really helpful. It is also a good idea to plot slices from a direction that is easily understandable when deciding where to begin a chart. Typically, visualization tools begin from the top or the right. Starting from the top seems more logical because it corresponds to how we read from top to bottom and how we think about the development of time on a clock or watch face, even if starting from the right has a mathematical grounding in terms of standards on measuring angles.
  • Avoid using 3-D pie charts. The areas, arc lengths, and angles of the slices must all point to an appropriate representation of the input data to read a pie chart correctly. While minimizing 3-D effects is a good idea for any plot, pie charts require extra attention. The size of each slice relative to the entire set of data can easily be distorted by constricting or expanding the circle or by adding extra depth.
  • Use annotations. Outside of simple fractions like 1/2 (50%), 1/3 (33%), and 1/4 (25%), it is quite challenging to understand precise ratios. This is where annotations come in. Annotations are like containers for text blocks, percentages, and other custom content.

They provide a more precise judgment of the proportions of each slice, making it easy for a user to understand. For this reason, most pie or donut chart templates include annotations.

How To Make a Pie Chart

There are several different ways to create your own pie chart template . The first, and most common way is to use Excel . Here are our three best options for creating your simple pie chart design and the steps you need to take to create your own:

  • Open the spreadsheet that contains the data for your pie chart.
  • Highlight the data you want in your pie chart.
  • Choose your pie chart by clicking Insert > Insert 2D Pie, 3D Pie, or Donut Chart.
  • To make any adjustments, click the chart and then the icons next to the chart as follows:
  • To edit axis titles or data labels, click on Chart Elements.
  • To edit the colors or the style of the chart, click on chart styles.
  • To show or hide different data in your chart, click Chart Filters.

Tip: The pie chart’s pie slices can be highlighted by being clicked and dragged outward.

Open a new PowerPoint presentation and click on the first slide. Select the pie chart you wish to include in and edit your slide by clicking Insert > Chart > Pie.

When creating a pie chart on a PowerPoint slide, the chart appears on the slide and the data for the chart appears in a worksheet window.

You can then replace the placeholder data with your data in the worksheet window.

  • To make any adjustments, click the chart and then the icons adjacent to the chart as follows:
  • Click Chart Elements to format, show, or hide elements such as axis names or data labels.
  • Use the Chart Styles to instantly alter the chart’s color or design.
  • Click Chart Filters to reveal or conceal the data in your chart.

Tip: If the worksheet window doesn’t show, select the chart and select Chart Tools Design > Edit Data and the window will pop up to the left.

Open a new Word document and paste all the data you want into your pie chart.

Click Insert > Chart > Pie Chart Template

  • Then double-click the pie chart you wish to select.
  • A spreadsheet will appear with placeholder data that you can now replace with your own data.
  • To make any adjustments, click on the chart and then the icons next to the chart as follows:
  • Click the Layout Options button to decide how to organize the chart and text in your document.

How To Design Pie Chart Templates

To design a clear, accurate, and visually appealing pie chart, there are some basic guidelines you need to follow.

Here are 9 steps to ensuring a successful pie chart:

Step 1 – Start with a template or create your own pie chart. There are several different options for choosing the right pie chart design for you. If you’ve got the time, you can customize your pie chart using Microsoft Office. However, if you lack the time and creativity, you can download a pie chart template to help get you started.

Step 2 – Decide what you want to illustrate with your pie chart. Gathering the data you require to quickly and easily represent the information is the key to creating a pie chart that makes sense to your audience.

Step 3 – Choose a meaningful and relevant title. It’s important to label your pie chart and include the source and date of your data.

Step 4 – Enter your data into your pie chart template. The data you have gathered can then be entered into your pie chart template, where you will see your chart come to life.

Step 5 – Order your slices by size or category. It makes it easier for users to read your pie chart if it’s arranged in a specific order. This means that you could either arrange your slices by size (largest to smallest) or by following a logical numerical or alphabetical sequence.

Step 6 – Use consistent and contrasting colors. This makes it easier for viewers to discern between the different slices and highlights the size of each slice, making it easier to understand the graph.

Step 7 – Avoid using too many texts and figures. Having a lot of information shown on your pie chart defeats the purpose. Pie charts demonstrate a summarized set of data that is easy to understand. Adding text, legends, lines, fonts, or too many annotations can make the chart more difficult to read.

Step 8 – Avoid using distracting elements. Borders, backgrounds, shadows, or other icons could make the chart confusing and difficult to read.

Step 9 – Share your pie chart. Now it’s time to present your pie chart to your intended audience. You can download your finished pie chart in JPEG, PNG, PDF, HTML5, PPTx, GIF, or MP4 format.

Alternatively, you can create a special online download link for your project that you can share with your colleagues, post on social media, print, or send emails. Your link can be password-protected and either public or private. This is a fantastic method for maintaining interactive elements on your chart so that users may access your data.

When Should a Pie Chart Be Avoided?

Pie chart templates should not be used to depict continuous or complex data sets when there are many categories (more than six) as we discussed above, or where the variations between the categories are small or inconsequential.

Pie graphs or charts that display data with negative values, zero values, or numerous levels of hierarchy can potentially be misleading or confusing. Pie charts, particularly those that contain 3D effects, exploding slices, or donut holes, can also produce visual clutter and distortion.

What Are Some Alternatives To Pie Charts?

Pie charts are not always the best option when demonstrating a set of data. If your data has numerous categories, negative values, or zero values, you can use a bar chart or table instead of a pie chart.

If your data has numerous levels of hierarchy or displays changes over time, you may choose to use a stacked bar chart or stacked area chart rather than a pie chart.

If your data has complex or nested structures, you can substitute a pie chart for a tree map or a sunburst chart. If your data contains different scales or ranges, you can use a half-pie chart or a polar area chart instead of a pie chart.

If you’re looking to summarize a complicated subject or highlight an analysis, using a chart or graph makes it easy for users to understand what they’re looking at.

Pie charts are one of the best methods for visualizing certain sets of data . However, they do not work for all sets. Pie chart data should make up the smaller parts of a whole value. Thus ensuring an accurate representation of the amount of each section or slice.

How to make a Creative Pie Chart in PowerPoint

Do you use pie charts in your presentations? I see them often in presentations I help to re-design. However, mostly they are in their default form. Let me show you how you can make this data chart much more attractive.

MS Excel and PowerPoint give you a wide range of choices for visualizing data series with charts. Pie charts are one of the most used chart types. They are quite popular due to their simplicity and I would say also because of their nice visual look. The circle shape looks attractive. However, pie charts should be used in the right context.

An important note about pie and doughnut chart use

Following the best practices of data visualization, pie charts are OK to be used if:

  • data are creating a whole, e.g. market shares in % of the whole market. Or product sales shares overall sales together.
  • you want to express only general shares value. Pie charts are not very good for precisely showing value differences.
  • you have a limited set of data variables, to keep the pie chart readable. Don’t use it if you have over 6-8 categories. In this case, it’s better to use a column or bar chart.

Assuming you follow those pie chart use recommendations, let me show you how to present a pie chart in a visually attractive way. In our example, this will be the distribution of product sales.

Let’s see how we can change a boring default pie chart to an interesting infographic. Here’s my source data chart – a graph representing shares over several categories.

Here’s the same pie chart transformed into much more attractive graphics. Notice what effect has adding a few more colors, using visual elements and graphical metaphor.

Does it seem complicated to create such a data chart? Don’t worry, it is rather simple, I will use only standard PowerPoint shapes and a bit of creativity. 

1. Adjust the pie chart look first

Start with changing the pie chart to a doughnut chart – with a hole inside. In PowerPoint, you can find the chart type function under the Chart Design tab. There you can also alter the chart color – either selecting one of the proposed color combinations or using your own colors. Then turn off the default data legend – we will create our own customized version later. You can find all chart editing elements when you select a chart and open the context menu with a right mouse click.

2. Creating an illustration of a lock from PowerPoint shapes

Now let’s create a simple illustration made of shapes. Create elements following the picture below – circles, a triangle, and an arc. You can find all those basic shapes in the PowerPoint Insert Shape tab.

Putting those shapes together with proper layering will create a shape of a lock, that we will use for our data chart. You will need to create a lock hole merging a small circle and a triangle. One of the middle circles should be semitransparent to create a look of partial color overlay. Align all circle objects centrally to make a symmetrical lock.

The last step is to put our doughnut chart over the lock graphics. The middle circles with a keyhole should be put on the top of the chart. Use the right mouse click and the “Bring to Front” function for that.

Not that hard, isn’t it? PowerPoint can give you really lots of possibilities for a creative design. All you need is an idea.

3. Create a graphical legend

Let’s enrich the new chart with custom-made legend, as an alternative to classical legend provided by Excel charts. It will take you a few more minutes, but the effect is worth it.  

Again, it’s enough to combine several basic shapes – rectangles and triangles – to create a ribbon for every data category in the chart. I propose a ribbon shape that has a space for an icon and colorful stripes. Assign different colors to each legend item, following the same color coding as in the data chart.

if you want also to assign one icon to the chart itself, remove the middle keyhole part and place there your icon representing the chart. Feel free to play and experiment further with this chart graphic, until you are happy with a new design.

Charts are great for visualizing data. Adding animation to charts can make that visualization even better, letting you do things like introduce one piece of a pie chart at a time, so you have more room for discussion. Here's how to do just that in Microsoft PowerPoint.

First, open up your PowerPoint presentation and go to the slide where you want the animated pie chart. To insert a pie chart, switch to the “Insert” tab and click the “Chart” button.

In the Insert Chart window that appears, select “Pie” from the list on the left. On the right, select the pie chart style you’d like to use from the five options that appear. When you've made your selection, click “OK” at the bottom right of the window.

You’ll notice the pie chart has now appeared on the slide and, with it, and Excel chart. Change the labels of the pie chart by editing the text in column A, and enter its respective data in column B. Once done, close the spreadsheet.

Next, select the pie chart and head over to the “Animations” tab. Here, select whichever animation you’d like to use from the available options. In this example, we will use “Wipe.”

Next, click the “Animation Pane” to open that up.

The Animation Pane appears to the right of your slide. Here, double-click the animation you added to your pie chart, or click the arrow next to it and then select “Effect Options.”

A window will appear with effect, timing, and chart animation options. Head over to the “Chart Animation” tab. Here, you can select how the chart animation behaves---as one object or by category. Choosing "As One Object" makes the whole chart appear at once. Choosing "By Category" makes the chart appear one slice at a time, and that's exactly what we want here.

You can even decide if you want the animation to begin by drawing the chart background.

When you click "OK," your pie chart will look the same in editing view but hit Shift+F5 to play your slide and then click your left mouse button to watch your new animated pie chart in action.

How to Make a Pie Chart in PowerPoint

With utilizing the power from Excel, you can make different types of pie charts in PowerPoint as well. In this article, we will show you how to create and insert a new pie chart in PowerPoint and then tell you how to change chart types and alter chart styles.

To start with, enable PowerPoint on your computer, open a new slide or the slide that you want to insert a pie chart. Then follow along with the steps below:

1.   Change the slide layout and make it fit for creating the pie chart. In this example, I will choose the Blank

layout button

2.   Select Insert > Chart to open the Insert Chart dialog box.

3.   Click Pie on the left list, select the pie chart diagram that you want to present, and click OK . Here, I choose 3-D Pie .

4.   An example 3-D pie chart diagram along with a small worksheet shows up on the current slide, replace the example data with your own information. Then you can close the worksheet.

5.   To change chart types, select the whole pie chart diagram, click Change Chart Type button on Design tab of Chart Tools .

6.   To change chart colors, select the whole pie chart diagram, choose a color scheme on the drop-down menu of Change Colors

7.   To change chart styles, choose a quick chart style on the small gallery and the chart style will be altered in seconds.

How to Make a Pie Chart in EdrawMax

How to Export an Edraw Chart as a PowerPoint File

Although EdrawMax is not widely-used like Microsoft PowerPoint in people’s life around the world, you can find it is flexible and adaptable to support users to export any chart and diagram into several common file types that you will use a lot in their work or study.

Go to the File tab, select Export on the drop-down menu and you can choose one of the supported file formats such as Export to PowerPoint (.pptx) . In addition, those exported MS Office files from EdrawMax can be viewed, edited and modified on Office programs as usual.

Explode or expand a pie chart

To make parts of a pie chart stand out without changing the underlying data, you can pull out an individual slice, pull the whole pie apart , or enlarge or stack whole sections by using a pie or bar of pie chart .

To emphasize an individual slice of a pie chart, you can move it back from the rest of the pie chart by doing the following:

Click the pie chart.

Double-click the slice you want to pull out, and then drag that slice away from the center of the chart.

The quickest way to pull all of the slices out of a pie chart is to click the pie chart and then drag away from the center of the chart.

To more precisely control the expansion, follow these steps:

Right-click the pie chart, then click Format Data Series .

Drag the Pie Explosion slider to increase the separation, or enter a number in the percentage box.

Tip:  You can also give your pie chart a different perspective by Rotating a chart .

Draw attention to small slices in a pie-of-pie or bar-of-pie chart

Pie-of-pie and bar-of-pie charts make it easier to see small slices of a pie chart. These chart types separate the smaller slices from the main pie chart and display them in a secondary pie—or stacked bar chart.

In the example below, a pie-of-pie chart adds a secondary pie to show the three smallest slices. Compare a normal pie chart before:

If you don’t indicate how many data points should appear in the secondary pie or stack, the chart will automatically include the three smallest. In this example, that is 3%, 3%, and 4%.

Follow these steps to do it yourself:

Right-click the chart and then click Change Series Chart Type .

Click Pie , and then click Pie of Pie or Bar of Pie .

To change what displays in the secondary pie, click the piece of pie you’re expanding, and then in the Split Series By box of the Format Data Series pane—click the type of data to display in the secondary chart.

To change how many data points appear in the secondary chart, you have two options:

If you’re splitting the series by position: in the Values in second plot box, enter the number of positions you want (such as 3 if you want the 3 smallest).

If you’re splitting the series by value or percent value: in the Values less than box, type a different number. In the example above—with 3%, 3%, and 4%—you might enter 5%.

The left chart is always the main chart, and the secondary chart is always to its right. You can’t rearrange them.

Connector lines will add automatically. You can remove them or change the connector styles .
