How to Save a Slide in PowerPoint Individually? [Quick Tip!]

How to Save a Slide in PowerPoint Individually? [Quick Tip!]

There are times when we want to either just print or share just a single slide from our PowerPoint presentation. It might seem a bit difficult to do so initially, but the process is actually quite simple!

To save a slide in PowerPoint, select the slide from the slide preview panel on the left part of your screen. Press “Ctrl+C” to copy it. Now, click on the “File” tab, and open a “Blank PowerPoint Presentation”. Press “Ctrl+V” to paste the slide. Press “Ctrl+S” to save the single slide presentation.

In this article, I will share with you how you can save just one slide from an existing PowerPoint presentation.

Plus, I will also show you how to save a single slide as an image so that you can avoid the changes in the color and the look of the slide when you move it to a new presentation.

So, without further adieu, let’s get started!

1. How to Save a Single Slide in PowerPoint?

There are actually two different ways in which you can save a single slide in PowerPoint. The first method is where you copy the slide into a new presentation and save it separately. Another method is where you can save a single slide as an image!

Let’s take a look at both the methods below –

Method 1 – Save a Single Slide Using a New Presentation

If you want to extract and save a single slide from an existing PowerPoint presentation, the best thing for you to do is to copy the slide and paste it into a blank PowerPoint presentation.

Related Read – Check out my other article on How to Copy and Paste in PowerPoint that provides you with tips to help retain the design and formatting of your original slide.

Then, save the Powerpoint presentation that contains the single slide that you just pasted in it.

This method allows you retain editing capabilities to the single slide that you move into a new presentation.

Here are the steps that you need to follow –

Step 1 – Copy the Slide

how to download a presentation from powerpoint

The first step is to copy the slide that you want to save as a presentation. To do that, first, select the slide from the “ Slide Thumbnail View ” on the left part of your PowerPoint window by clicking on it.

Then, “right-click” on the slide. From the options that are displayed in the menu, click on “ Copy “.

You can also use the keyboard shortcut “ Ctrl+C ” to copy the slide once it has been selected.

Step 2 – Open a Blank Presentation

how to download a presentation from powerpoint

The next step is to move this slide into a new presentation. For that, first, we will need to open a blank presentation.

To open a blank presentation in PowerPoint, click on the “ File ” tab on the top. You will be taken to the backend view.

From the backend view, simply click on the “ New ” option on the left, and then select the “ Blank Presentation ” option.

This will open a new blank PowerPoint presentation.

You can also press “ Ctrl+N ” to open a new PowerPoint presentation and avoid all the above steps.

Step 3 – Paste the Copied Slide

how to download a presentation from powerpoint

Once the new presentation is open, simply click on the first slide in the new presentation, and paste the slide that you have copied from the original presentation.

You can “ right-click ” on the first slide, and from the options that appear, click on “ Paste “.

Alternatively, you can also simply click on the first blank slide in the new presentation and press “ Ctrl+V ” to paste the copied slide.

Step 4 – Choose the “Keep Source Formatting” option

how to download a presentation from powerpoint

Once you’ve pasted the slide from the original presentation into a new blank presentation, you will notice that sometimes the formatting of the slide (meaning the color and font) doesn’t get carried over.

This can be annoying as you really don’t want to spend time recreating the slide!

To solve this problem, click on the small “clipboard” icon underneath the slide that you just pasted in the new presentation. A dropdown menu will appear.

Simply, choose the “ Keep Source Formatting ” option from the dropdown.

This option will basically retain the way text, image and other elements were formatted in the original presentation.

Step 5 – Delete Additional Slides

how to download a presentation from powerpoint

Now, all you are left to do is delete any additional slides that may be present in the new presentation.

To delete the slides from the presentation, select it by clicking on it. Then, right-click and choose the “ Delete Slides ” option.

You should be left with only a single slide that you copied from the original presentation.

Step 6 – Save the Presentation

how to download a presentation from powerpoint

The last step of the process is the make sure that you save the presentation.

To save a PowerPoint presentation, click on the “ File ” tab. Then, from the backend view, click on “ Save “.

You can also use the keyboard shortcut “ Ctrl+S ” to save a PowerPoint presentation.

You will be prompted with a new window asking you to choose a destination to save the file. Navigate to the specific folder where you want to save the file. Then, click “ Save “.

Method 2 – Save a Single Slide as an Image

If you are in a hurry and don’t really care about being able to edit the slide once it has been moved separately, then perhaps you should use this method.

Saving an individual slide as an image in Microsoft PowerPoint is quite an easy process.

It requires 4 easy steps as follows:

Step-1: “Right-click” on the slide

how to download a presentation from powerpoint

The first step is to go to the slide you want to save as an image and “Right Click” anywhere on the slide. This will open a drop-down menu.

Step-2: Select the “Save as Picture…” option

From the drop-down menu, click on the “Save as Picture…” option. This will open a new window.

In this window, you can select the folder you want to save the slide as a picture in. You can also rename the image by typing in the “File name” box.

Step-3: Select your preferred image format

how to download a presentation from powerpoint

Below the “File name” box, click on the “Save as type” option. This will open a dropdown menu containing all the standard image format options. Click on your preferred format to select it.

I would recommend using the “ JPEG ” file format especially if you only plan to email this to a client or a team member.

If you plan to project it on a screen or print this slide on a huge paper, you would perhaps be better off going with the “PNG” file format.

Step-4: Click on the “Save” button

how to download a presentation from powerpoint

After naming your slide and selecting the image format, click on the “Save” button at the bottom of the new window. This will save the selected single slide as an image.

How to Save One Slide in PowerPoint as a Picture on Mac?

You can follow a similar process to the one mentioned in the previous section even on Mac. However, you can also use the export function and save just one slide as a picture in PowerPoint on Mac.

Here’s how to save just one slide as a Picture in PowerPoint on Mac –

Step-1: Select your preferred slide

First, click on the specific slide you want to save as a picture. Be sure to select the entire slide rather than a single element in the slide.

Step-2: Click on the “Export” option

how to download a presentation from powerpoint

In the “Primary Menu” bar at the top of your screen, click on the “File” option, which will open a dropdown menu. From the dropdown menu, select the “Export” option.

Step-3: Click on the “File Format” box

Clicking on the “Export” option will open a pop-up menu. At the bottom of the pop-up menu, click on the “File Format” box. This will open a dropdown menu containing various file formats.

Step-4: Select the preferred file format

how to download a presentation from powerpoint

In the dropdown menu under the “File Format” box, there are three image formats which are “JPEG” , “TIFF” and “PNG.”   Select your preferred image format.

My recommendation would be to choose the “JPEG” file format as that doesn’t significantly increase the size of the image and also maintains a decent quality for most purposes.

Step-5: Click on the “Save Current Slide Only” option

how to download a presentation from powerpoint

Once you select your desired file format, you will see two new options appear below the “File Format” box. Among the two options, click on “Save Current Slide Only.”

Step-6: Click on the “Export” button

To complete the process, click on the “Export” button which is located at the bottom of the pop-up window. Thus, the selected individual slide will be saved as a picture on your computer.

2. How to Save a Single Slide in PowerPoint as a PDF?

Another option is to save a single slide in PowerPoint as a PDF file. This is great especially when you want to send the slide to a client. Sending a file in a PDF format looks more professional.

Here’s what you need to do to save a single slide in PowerPoint as a PDF –

Step-1: Select the Slide

how to download a presentation from powerpoint

The first step is to select the slide that you want to save as a PDF file.

Step-2: Click on the “File” Tab and choose “Print”

At the top left corner of your screen, click on the “File” menu to open it. In the “File” menu, select the “Print” option from the sidebar at the right side of your screen.

Step-3: Select the “Microsoft Print to PDF” option

how to download a presentation from powerpoint

Once the “Print” option is open, click on “Printer” and select the “Microsoft Print to PDF” option from the dropdown menu.

Step-4: Click on the “Custom Range” button

how to download a presentation from powerpoint

Now, under the “Settings” section, click on the top-most option which says “Print All Slides.” From the dropdown menu, click on the “Custom Range” button.

After that, click on the “Slides” box and type in the slide number of the slides that you want to save as PDF.

Step-5: Click on the “Print” button

how to download a presentation from powerpoint

Now, click on the “Print” button to open a pop-up window. Type in the name of the PDF in the “File name” box and click on the “Save” button to save the selected slide as a PDF.

3. How to Save All Slides in PowerPoint as a Picture?

In Microsoft PowerPoint, you can save either an individual slide or an entire presentation as image files. Check out my other article where I’ve gone in-depth on how to save a PowerPoint as a picture . Make sure you check out the article for all the visual references and tips.

I’m also highlighting the process below but if you need to see the process with visual aids, check out the article linked above.

Step-1: Open the “File” menu

At the top-left corner of your PowerPoint window, you will find the “File” tab, which is the first option in the ribbon. Click on the “File” option to open a variety of options.

Step-2: Click on the “Save As” option

With the “File” menu opened, click on the “Save As” option from the sidebar located at the left side of your screen and select the folder where you want to save the pictures in.

To save the slides as pictures in a new folder, click on the “New Folder” button and type in the folder name.

Step-3: Click on “Save As Type”

The “Save As Type” drop-down menu is located in the text box that says “PowerPoint Presentation (*.pptx).”

Click on the text box to open a dropdown menu. Scroll down the menu and select your desired image format from “JPEG File Interchange Format (*.jpg)” , “PNG Portable Network Graphics Format (*.png)” , “TIFF Tag Image File Format (*.tif)” or “Scalable Vector Graphics Format (*.svg).”

After selecting your preferred image file format, click on the “Save” button beside the “Save As Type” box. This will open a new dialogue box.

Step-5: Click on the “All Sides” button

Now, all you have to do is click on the “All Slides” button from the dialogue box to save all the slides of your presentation as image files.

Please Note – Each slide will be saved as a separate image arranged serially by slide number in your selected folder when you save a complete PowerPoint presentation as an image.

4. How to Print a Single Slide in PowerPoint?

In Microsoft PowerPoint, the process of printing an individual slide is similar to the process of saving the slide as a PDF file. Open the “Print” option from the “File” tab and then follow the 3 basic steps:

Step-1: Select the “Add Printer…” option

how to download a presentation from powerpoint

In the “Print” menu, click on the “Printer” box. From the dropdown menu, select the “Add Printer…” option.

This will prompt you to connect your printer to the computer. If your printer is already connected to your computer, click on it to select it.

Step-2: Select your preferred slide

how to download a presentation from powerpoint

Next, click on the “Settings” button and select the “Custom Range” option from the drop-down menu. In the “Slides” box below, type in the slide number of your preferred slide.

Step-3: Click on the “Print” button

how to download a presentation from powerpoint

Now, all you have to do is click on the “Print” button for your printer to print the single PowerPoint slide you have selected.

3 Best Ways to Extract Images From a PowerPoint Presentation

When you create a PowerPoint presentation, you’re likely to add images to enhance the visual appeal and convey information effectively. But what if you want to save those carefully chosen images for later use? Fortunately, there are several ways to extract images from your PowerPoint presentation.

Best Ways to Extract Images From a PowerPoint Presentation

Whether you want to extract just one or two images from your PowerPoint file or all of them, saving images from your presentation is fairly straightforward. This guide will walk you through three different methods to achieve this. So, let’s get right to it.

1. Use the ‘Save as Picture’ Option

The ‘Save as Picture’ option is the quickest way to extract an image from a PowerPoint file. This method is useful if you only want to save one or two images from your PowerPoint presentation. Here are the steps for the same.

Step 1: Launch PowerPoint on your PC and open the PPT from which you want to save images.

Step 2: Locate and select the image you want to extract. Right-click on it and choose the ‘Save as Picture’ option from the context menu.

Step 3: In the Save As Picture dialog, specify where you want to save the image. Then, click the drop-down menu next to Save as type to select your preferred file format for the image.

Step 4: Click the arrow next to the Save button and select ‘Save Original Picture’ to export the high-resolution image.

You can repeat the above steps to extract more images if you like.

Alternatively, if you want to use the image in another program on your PC, right-click on the image in your presentation and select Copy. After that, move to the program where you want to use the file and press Control + V keyboard shortcut to paste the image.

2. Save the PowerPoint Slides as Images

While the ‘Save as Picture’ option makes it easy to save images from your PowerPoint file, it’s not the most efficient method if you are looking to extract all the images from your PowerPoint presentation. In that case, it’s better to save your PowerPoint slides as images (in JPEG or PNG format ) using the steps below.

Step 1: Open the PowerPoint file from which you want to save images.

Step 2: Click the File menu at the top-left corner.

File Menu in PowerPoint

Step 3: Select Save As from the left pane. Then, click the Browse button.

Step 4: Click the drop-down menu next to Save as type to select ‘JPEG File Interchangeable Format’ or ‘PNG Portable Network Graphics Format’ from the list.

Step 5: Click the Save button.

Step 6: Select All Slides when the prompt appears.

Extract All Images From PowerPoint at Once

After you complete the above steps, all the images within your presentation will be saved separately in the specified location.

3. Add a ZIP Extension to the Presentation File and Extract It

Another way to save all the images from a PowerPoint file simultaneously involves converting the presentation into a ZIP file and then extracting the file on your computer . This method allows you to save all of the images in your presentation in their original format. Here are the steps you can follow.

Step 1: Press the Windows key + E keyboard shortcut to open File Explorer and locate the PowerPoint from which you want to save images.

Step 2: Right-click on your file and select the rename option.

Rename a PowerPoint File

Step 3: Replace the PPTX or PPTM extension with the ZIP extension. Select Yes when the confirmation prompt appears.

Step 4: Right-click on the renamed file and select Extract All.

Saving the Heart of Your Presentation

PowerPoint presentations are excellent for sharing information and ideas. Sometimes, you only need the images from a presentation, not the entire thing. Fortunately, extracting images from your PowerPoint presentation is rather simple using the methods mentioned above.

Introduction

Have you ever created a stunning presentation using Canva and wanted to download it as a Powerpoint file? Fortunately, Canva offers a simple and convenient way to do just that. Converting your Canva presentation to Powerpoint allows you to easily share it with colleagues, clients, or anyone who may not have access to Canva. Whether you need to present your work in a professional setting or simply want to preserve your design integrity, this guide will walk you through the process of downloading a Canva presentation as a Powerpoint file.

Canva is an intuitive online graphic design tool that offers a wide range of templates, including presentation templates. With its drag-and-drop functionality and an extensive library of design elements, Canva makes it easy for both beginners and professionals to create visually stunning and engaging presentations. And the best part is that you don’t need any design experience to use it!

In the following steps, we’ll demonstrate how to download a Canva presentation as a Powerpoint file in just a few simple clicks. So, let’s get started!

Step 1: Access the Canva Website

The first step in downloading a Canva presentation as a Powerpoint file is to access the Canva website. You can do this by opening your preferred web browser and entering www.canva.com in the address bar. Press Enter or Return to load the website.

If you already have a Canva account, login with your credentials. If you don’t have an account, you can sign up for free by clicking on the “Sign up with email” or “Sign up with Google” button. Fill in the required information, such as your name, email address, and password, and then click on “Sign up” to create your account.

Once you’re logged in, you’ll be taken to your Canva homepage, where you can access all of your saved designs and templates. It’s important to note that you need to have a Canva account and be signed in to download a presentation as a Powerpoint file.

Now that you’ve accessed the Canva website and logged in, you’re ready to proceed to the next step: opening the desired presentation.

Step 2: Open the Desired Presentation

Once you’re on the Canva homepage, you’ll see a list of your saved designs and templates. Look for the presentation you want to download as a Powerpoint file and click on it to open it.

If you don’t see the desired presentation on your homepage, you can use the search bar located at the top of the page to find it. Simply enter the title or keywords related to the presentation and press Enter or Return. Canva will display relevant results based on your search query.

Alternatively, if you have organized your Canva designs into folders, you can navigate to the appropriate folder to find the desired presentation. Click on the folder name to expand it and view the designs within.

Once you have located the presentation you want to download, click on it to open it in the Canva editor. This will allow you to view and make any necessary edits to the presentation before downloading it as a Powerpoint file.

Canva offers a range of customization options to modify your presentation’s layout, design elements, and content. You can change the background, add or remove text, upload images, and much more. Take some time to review and make any desired changes to ensure your presentation looks exactly how you want it.

Now that you have opened the presentation in Canva and made any necessary edits, it’s time to move on to the next step: clicking on the “Download” button.

Step 3: Click on the “Download” Button

After you have opened the desired presentation in the Canva editor and made any necessary edits, it’s time to download it as a Powerpoint file. To do this, locate and click on the “Download” button, which is located in the top-right corner of the Canva editor interface.

When you click on the “Download” button, a dropdown menu will appear, offering various download options. Canva provides multiple file formats to choose from, including PDF, JPG, PNG, and more. However, for the purpose of downloading a Canva presentation as a Powerpoint file, you need to select the appropriate option.

In the dropdown menu, select the “Powerpoint” option or any other format that specifically mentions Powerpoint compatibility. This will ensure that your presentation is downloaded in a format that is easily accessible and editable using Microsoft Powerpoint or other compatible software.

Once you have selected the “Powerpoint” format, Canva may prompt you to upgrade to a premium account if the selected format is only available to premium subscribers. If you’re okay with upgrading, follow the instructions on the screen. Otherwise, you can choose one of the available formats that don’t require an account upgrade.

Now that you have selected the “Powerpoint” option, you’re ready to move on to the next step: choosing the download location for your presentation.

Step 4: Select the “Powerpoint” Option

After clicking on the “Download” button in Canva, a dropdown menu will appear with various file format options. Look for the “Powerpoint” option in the dropdown menu and select it. This will ensure that your Canva presentation is downloaded in a Powerpoint-compatible format.

By selecting the “Powerpoint” option, Canva will generate a Powerpoint file (.pptx) of your presentation, which can be easily opened and edited in Microsoft Powerpoint or any other software that supports Powerpoint files. This format allows you to maintain the integrity of your design while offering the flexibility to make further modifications or additions if needed.

It’s important to note that the availability of the “Powerpoint” option may depend on your Canva subscription plan. Some advanced features and file formats, such as Powerpoint downloads, may require a Canva Pro subscription. If the “Powerpoint” option is not available to you, you may need to upgrade your account to access this feature.

Once you have selected the “Powerpoint” option and confirmed your selection, Canva will begin generating the Powerpoint file of your presentation. The time it takes to generate the file may vary depending on the size and complexity of your presentation. Canva will display a progress indicator to inform you of the status of the download process.

Now that you have selected the “Powerpoint” option, you’re ready to proceed to the next step: choosing the download location for your Canva presentation.

Step 5: Choose the Download Location

Once Canva has finished generating the Powerpoint file of your presentation, it’s time to choose the download location. When the file is ready, Canva will display a notification or message indicating that the download is complete.

Click on the provided download link or button to initiate the download process. This will prompt your web browser to open a window where you can specify the location on your computer where you want to save the downloaded Powerpoint file.

In the file download window, you can choose to save the file to a specific folder on your computer, such as the “Documents” or “Downloads” folder, or you can select a custom location of your choice. Navigate to the desired folder or location and click on the “Save” or “Download” button to start downloading the Powerpoint file.

Keep in mind that the exact steps and options in the download window may vary depending on your web browser and operating system. However, the general process remains the same: selecting the download location and initiating the download.

Ensure that you choose a location that is easily accessible and memorable, as you will need to locate the file later when you want to open or edit it in Powerpoint. It’s a good practice to save the file in a location where you can easily find it, such as your desktop or a dedicated folder for your Canva presentations.

Now that you have chosen the download location for your Canva presentation, it’s time to move on to the final step: saving the presentation as a Powerpoint file.

Step 6: Save the Presentation as a Powerpoint File

After choosing the download location for your Canva presentation, the file will start downloading to your selected location. The time it takes for the download to complete will depend on the size of the presentation and the speed of your internet connection.

Once the download is complete, navigate to the download location on your computer and locate the downloaded Powerpoint file. The file will have a .pptx extension, indicating that it is a Powerpoint file.

If you have Microsoft Office or Powerpoint installed on your computer, you can simply double-click on the downloaded file to open it in Powerpoint. This will allow you to view and edit the presentation as you would with any other Powerpoint file.

If you don’t have Powerpoint installed, you can use alternative software that supports Powerpoint files, such as Google Slides or Apple Keynote, to open and edit the presentation. These software options provide similar functionality and allow you to work with Powerpoint files seamlessly.

Once you have opened the downloaded presentation in your desired software, you can make any further edits, add animations, include additional slides, or customize the content to suit your needs. Remember to save your changes as you work.

By saving the Canva presentation as a Powerpoint file, you have successfully converted it to a format that is compatible with commonly used presentation software. This allows you to easily share it with others or present it without the need for Canva.

Congratulations! You have now completed all the steps to download a Canva presentation as a Powerpoint file. Enjoy sharing and presenting your visually engaging and professional-looking presentation with ease!

This is the starting point. Make sure you’re logged into your Google account and that you can access the presentation you need. If you’ve been shared on a presentation, it should appear in the ‘Shared with me’ section of your Google Drive.

Step 2: Click on ‘File’ in the top menu

Navigate to the top menu of the Google Slides presentation and click on ‘File’.

Once you’ve got your presentation open, you’ll see the ‘File’ option on the top left corner of your screen. It’s your gateway to several actions you can perform on your presentation, including downloading it.

Step 3: Select ‘Download’

In the ‘File’ menu, hover over the ‘Download’ option to see the different file formats available.

When you click ‘Download,’ a list of different formats will drop down. These are all the formats you can convert your presentation into, including JPEG, PNG, PDF, and of course, PowerPoint.

Step 4: Choose ‘Microsoft PowerPoint (.pptx)’

From the list of formats, select ‘Microsoft PowerPoint (.pptx)’ to download your presentation as a PowerPoint file.

This is the moment of truth. By selecting ‘.pptx,’ you’re instructing Google Slides to convert your presentation into a file type that’s compatible with Microsoft PowerPoint.

Step 5: Open the PowerPoint file

After the download is complete, locate the file in your computer’s Downloads folder and open it with Microsoft PowerPoint.

And just like that, you’re done! Your presentation should now be open in PowerPoint, and you’re free to use all the features that PowerPoint offers. Edit, animate, and wow your audience with your newly converted presentation.

Additional Information

While downloading a Google Slides presentation as a PowerPoint file is relatively simple, there are a few things to keep in mind. First, make sure that your Google Slides presentation is complete and that you’re happy with the design and content. When you convert the file, slight changes in formatting or layout can occur due to differences between the two programs. It’s a good idea to double-check your PowerPoint file after downloading to ensure everything looks as it should.

Another tip is to consider the fonts used in your presentation. If you’ve used a Google font that isn’t available in PowerPoint, it might be replaced with a default font, altering the appearance of your slides. To avoid this, stick to common fonts or embed the fonts into your PowerPoint presentation if possible.

Keep in mind, too, that any animations or transitions that are specific to Google Slides may not transfer over to PowerPoint. If your presentation relies heavily on these features, you’ll want to recreate them in PowerPoint.

Lastly, remember that sharing is caring! If you’re working in a team, make sure to inform everyone about the format change to avoid any confusion or compatibility issues.

  • Open your Google Slides presentation.
  • Click on ‘File’ in the top menu.
  • Select ‘Download’.
  • Choose ‘Microsoft PowerPoint (.pptx)’.
  • Open the PowerPoint file.

How to get Microsoft PowerPoint for free

Need to create a digital presentation? There are loads of options to choose from.

Google Slides, Apple Keynote, Canva and Prezi are all worth considering, but there’s one app that probably comes to mind first.

Microsoft’s PowerPoint remains the go-to for many people, combining ease of use with an excellent range of features.

But there’s one big problem: you usually need to pay to access the app. This starts $149.99 / £119.99 for a standalone version alongside other Office apps, or £79.99 / $99.99 per year as part of a Microsoft 365 subscription.

However, the good news is that there are three totally free (and legal) ways to use PowerPoint totally free of charge. Here’s what you need to know.

Option 1 – Web version

Accessing Microsoft PowerPoint and other core Office programs is free via the web, and all you’ll need is a Microsoft account.

Head over to office.com and click ‘Sign in’ to enter your details. If you don’t yet have an account, choose ‘Sign up for the free version of Office’ and follow the instructions.

Anyron Copeman / Foundry

Once that’s complete, you’ll be taken to your main office homepage. From the left pane, choose ‘Create’ then ‘Presentation’ to open a new PowerPoint document.

As you can see, there’s also the option to create documents in Word and PowerPoint here, alongside Outlook and a free version of Microsoft Teams. These are all ‘Web Apps’, meaning you can only use them via your browser and not a desktop app. When you work on a file here, it will be saved to OneDrive, Microsoft’s cloud storage service.

In fact, you probably have Google to thank for this software being available in web app form. Its free Docs, Sheets and Slides software and their integration with Google Drive made it difficult for Microsoft to keep asking users to pay.

Check out our guide to the best cloud storage services to see how both compare to the rest of the competition.

The web version of PowerPoint is a more stripped-back version of the software, so the comparison to Google Slides is more reasonable than the full desktop program. Nonetheless, both services should provide everything a casual user is looking for.

Option 2 – Use on mobile

Perhaps again in response to Google, Microsoft’s Office mobile applications are completely free and available across modern mobile devices.

You can download the Microsoft PowerPoint app for Android and iOS . While Microsoft understandably reserves some premium features for its Office 365 subscription, the mobile apps are still very capable and offer integration with OneDrive.

Option 3 – Check if your school or workplace gets it free

Many employers offer Microsoft 365 apps to their employees free of charge. Even if your work email address ends with the name of the company you work for, it may still be used to sign into a Microsoft account. Of course, you may be working in an office job where Excel and the like are already the defaults.

If your school has signed up to Microsoft 365 Education, all staff and students should be able access Office apps for free. To check, enter your education email address on the Microsoft website .

But if your school isn’t yet signed up and you’re in a position to change that, compare plans and begin the sign-up process here .

On-object Interaction Updates

  • Enhanced Reference Layer in Power BI Azure Maps Visual

Data connectivity

Certified connectors updates, storytelling in powerpoint – replace report urls with shareable links in power bi add-in, data overview in explore, directquery connections update, shared device mode is now ga, power bi custom visuals new local storage api, on-object interaction support for custom visuals, tmdl in power bi desktop developer mode, editor’s pick of the quarter, new visuals in appsource, multiple sparklines, rose donut pie chart by powerviz, xviz gantt chart by lumel, control chart xmr by nova silva, drill down graph pro, more users can now collaborate with protected pbix in power bi desktop.

Visual calculations

A new way of doing calculations has arrived! You can now add calculations directly on your visual using visual calculations, which are DAX calculations that are defined and executed directly on a visual. A calculation can refer to any data in the visual, including columns, measures, or other visual calculations. This approach removes the complexity of the semantic model and simplifies the process of writing DAX. You can use visual calculations to complete common business calculations such as running sums or moving averages. Visual calculations make it easy to do calculations that were previously very hard or even almost impossible to do.

To use visual calculations while in preview, you need to enable it in Options and Settings  ➡️  Options  ➡️  Preview features . Select visual calculations and select OK . Visual calculations will be enabled after Desktop is restarted.

To add a visual calculation, you first need to select a visual. Next, select the New calculation button in the ribbon:

The new calculation button is shown on the Home tab of the ribbon in Power BI Desktop in the Calculations group.

To add a visual calculation, type the expression in the formula bar in the visual calculations edit mode that opens. For example, in a visual that contains Sales Amount and Total Product Cost by Fiscal Year , you can add a visual calculation that calculates the profit for each year by simply typing: Profit = [Sales Amount] – [Total Product Cost].

The visual matrix is updated as you add visual calculations using in the formula bar. New visual calculations are added as columns to the visual matrix.

Additionally, you can easily add a running sum of profit by writing:

Here is a visual with the two visual calculations we have just created:

A screenshot of a graph Description automatically generated

You can use many existing DAX functions in visual calculations. Functions specific to visual calculations are also available, such as RUNNINGSUM , PREVIOUS and MOVINGAVERAGE . Using these and other functions, visual calculations are much easier to read, write and maintain than the current DAX required.

We are only just getting started with this preview. There is a lot more that we have planned, so please stay tuned for updates in future releases. However, we invite you to jump in now!

For more information, read the dedicated blog post and documentation . Please try the preview today and let us know what you think .

Dynamic subscriptions for Power BI reports

Dynamic per recipient subscriptions is now available in Preview for Power BI reports! Like dynamic subscriptions for paginated reports , you can now distribute a personalized copy of a Power BI report to each recipient of an email subscription.

Imagine you have a report that includes sales data for your entire team. You want to schedule an email subscription that sends out a PDF copy of this report to each salesperson on a weekly basis, with the report filtered to only show their sales results.

This can now be done by connecting to a semantic model (previously Power BI dataset) that defines the mapping between recipients and respective filter values. When it’s time to send out the report, the latest data available in your semantic model will determine which employees should receive a report in their inbox, and with what filter values applied.

See the documentation for dynamic subscriptions here.

This February release we added multi-visual container format support ! Previously, when multi-selecting across different visual types, the format pane did not support any options for formatting the visuals. Now, when multi-selecting different visuals, we’ve added formatting support for container formatting such as changing the size, background color, adding a shadow or turning on/off titles in bulk.

When multi-selecting different visual types (e.g. a line chart and bar chart):

We’ve also added the ability to format a visual’s container size and position even if it’s empty:

A screenshot of a graph, Visualizations. Select or drag fields to populate the visual.

This month we also bring you a handful of quality improvements to the on-object experience:

  • Bug fix : when working with a non-visual (text box, button, image, shape) the build pane accidentally closing automatically. The build pane now stays open unless explicitly closed regardless of selected item type.
  • Bug fix : style bug where the build pane was showing 5 icons across instead of the usual 6 has been fixed.
  • Bug fix : in some cases, the data flyout was extending beyond the window size making the search box hard to use, this has now been fixed.
  • Enhancement : When choosing a field using the data flyout – you can now click anywhere on the name, not just the checkbox next to it to select the field.

5.Enhancement : If replacing a field in a visual that does not use an aggregation or date hierarchy (other dropdowns are disabled), we auto open the data dropdown to save an extra click.

Power BI Home in Desktop is Enabled by Default

We are excited to announce the new and improved Power BI Home as the default experience! The Power BI Home has been redesigned to provide a centralized and familiar location for all your Power BI activities within the desktop application. Our aim is to enhance your productivity and make it easier to discover and consume content.

With Power BI Home, you no longer need to navigate through multiple menus or tabs to access your files and reports. This intuitive interface serves as a hub, like other popular office products, where you can effortlessly manage your reports, all from a single location.

Whether you’re a seasoned Power BI user or new to the platform, Power BI Home ensures a consistent and seamless experience across all your Power BI activities.

Now, you can:

  • Initiate a new report directly from the new home screen.
  • Access reports from recommendations that we have curated.
  • Locate your most recent reports through the Quick Access lists.

A screenshot of a computer abilities within the new home screen.

Please continue to submit your feedback directly in the comments of this blog post or in our feedback forum .

Enhanced Reference Layer in Power BI Azure Maps Visual

We’re excited to introduce a significant enhancement to the Power BI Azure Maps visual reference layer feature. In response to valuable user feedback and in alignment with evolving industry standards, we have expanded the capabilities of the reference layer. Now, in addition to supporting the existing GeoJSON format, users can also utilize KML (Keyhole Markup Language) and WKT (Well-Known Text) formats.

We’re also adding URL as a data source alongside file upload. This addition offers users even more flexibility and convenience in importing spatial data into Power BI. Whether your data resides in GeoJSON, KML, WKT, or through a URL link, the Power BI Azure Maps visual seamlessly integrates these formats, ensuring a comprehensive and versatile geospatial analysis experience.

A screenshot of a computer, Boolean values are now showing in the Results grid.

  • A share feedback link has been added in Options > Preview features. We would love to hear your feedback on DAX query view!
  • A bug causing active query tab to stop being highlighted is fixed.
  • A bug with close brackets of a nested IFs DAX formula is fixed.

And we have released additional INFO DAX functions.

  • INFO.CHANGEDPROPERTIES()
  • INFO.EXCLUDEDARTIFACTS()
  • INFO.FUNCTIONS()
  • INFO.LINGUISTICMETADATA()

SingleStore, we’re thrilled to inform you that our connector has now officially moved out of beta. We want to express our gratitude for your valuable feedback and for being an essential part of our beta journey. Your insights have played a crucial role in shaping the enhancements we’ve made.

This upgrade comes with an exciting new feature – you can now cancel running queries, hassle-free. No more queries running in the background after you refresh the UI/visual or navigate across the pages in the report.

Our team is dedicated to continuously improving and adding even more useful features to enhance your experience. Thank you for your ongoing support, and we can’t wait to continue providing you with top-notch features that elevate your data connectivity and reporting capabilities.

When you add the Power BI add-in to a presentation, you can pick a report suggested to you or paste a link to a specific report.

When you paste a standard report link (the URL copied from the browser address bar), and if sharable links are enabled for your organization and allowed for this report, you have re-share permissions to this report, Power BI add-in can replace the link you pasted with shareable link. In that case you will see a checkbox added below the report URL that offers you automatic access to this report. Just mark this checkbox and Power BI add-in will create a shareable link for you.

Using a sharable link ensures that other users viewing the presentation have the required permission to see the report, and do not need to request access when viewing the presentation.

Have you tried out the new Explore feature yet? This month we added a data overview feature to Explore that allows you to get the “gist” of what your data is all about. Powered by Copilot, data overview gives you a summary of what’s contained in the data you’re exploring and highlights some interesting tidbits to get you started. Let us know what you think!

Maximum connections per data source  is a setting to configure the maximum number of connections DirectQuery opens for each underlying data source. This controls the maximum number of queries that can be executed concurrently against each data source and is configurable per semantic model.

We recently updated the upper limit of the number of concurrent Direct Query connections allowed per semantic model. The updated limits for each SKU are listed in the table below.

The upper limit for Power BI PPU is 100 active connections. Note that there is no change to the Power BI Pro and Report Server limits and the default maximum value remains as 10 concurrent connections.

Introduced last September, shared device mode is now generally available! With shared device mode, organizations can safely deploy the Power BI mobile app across their pool of shared devices.  Check it out !

This API allows Custom Visuals to store data directly in the local browser. Data stored locally is more secure and improves the performance of web apps. The API will be controlled by a global admin setting. Learn more about the API.

Our February release introduces the support of the new on-object interaction. This enhancement allows users to build and customize visuals directly on the visual in Power BI Desktop. It puts common actions for creating and formatting visuals on the visuals themselves, actions such as adding fields, changing visualization types, and formatting text.

The primary objective of Power BI Desktop developer mode is to provide friendly source control and co-development experience. With this objective in mind, you can now save your Power BI Project files (PBIP) using  Tabular Model Definition Language (TMDL)  format. TMDL has been designed from the ground up to be human-friendly, facilitating not only readability but also easy editing in any text editor. This represents a substantial enhancement for source control and collaborative development experiences, particularly when dealing with complex file diffs.

Saving as a PBIP using TMDL is currently in preview. Before giving it a try, you must first enable this feature in Preview features: go to  File  >  Options and settings  >  Options  >  Preview features  and check the box next to “Store semantic model using TMDL format”.

After enabling the preview feature, when saving as PBIP, your semantic model will be saved as a TMDL folder named “\definition” with separate files for each table, perspective, role, culture:

By default, Fabric Git Integration will still use Tabular Model Scripting Language (TMSL) to export the semantic model during the Public Preview. Years ago, Stacey Barr introduced us to the magic of Control Charts. Magic it is, because it allows everyone to split their temporal data in two: random noise and real signals. And we all are looking for real signals, and don’t want to be distracted by random noise.

In our last release of the Control Chart XmR we have added several new features to make it even easier to find real signals and ignore random noise in your data.

First, we added a feature to allow any report consumer to override the applied rules. This allows everyone to analyze the effects of one specific rule or set of rules.

Several customers asked for a possibility to download the calculated values from the visual. Now you can download all values calculated by the Control Chart XmR, like: LCL, CL, UCL, sigmas and signals.

Don’t hesitate and try the new Control Chart XmR now on your own data by downloading it from the AppSource . All features are available for free to evaluate this visual within Power BI Desktop.

Have you ever wondered how to collaborate with your colleagues on sensitive data without compromising its security? Do you want to learn how to use Microsoft Purview Information Protection sensitivity labels to protect your data ?

If so, you’re in the right place! We’ll show you how to use sensitivity labels with protection to encrypt and protect your data, and how to enable more users to edit and republish encrypted PBIX files. By the end of this article, you’ll be able to collaborate more securely with your data in Power BI.

Protecting your data with Microsoft Purview

Compliance admins in your organization can use Microsoft Purview Information Protection  sensitivity labels  to manage their org’s sensitive data across different apps and services and meet regulatory and compliance requirements.

They define file protection policies for the sensitivity labels, which result in files being encrypted when such labels are applied, allowing only authorized users to open and edit these files in Office apps and Power BI Desktop.

Sensitivity labels are widely adopted by enterprises today and used to label and protect content in  Microsoft 365  apps such as Excel, PowerPoint, Word, and Outlook, and now in Power BI and Fabric as well.

All you have to do is enable Information Protection in Microsoft Fabric’s Admin Portal and let the labels do the rest.

A screenshot of a computer All you have to do is enable Information Protection in Microsoft Fabric’s Admin Portal and let the labels do the rest.

How Power BI Desktop enforces sensitivity label protection

In Power BI Desktop , we enforce label protection on PBIX files. To open a PBIX file, you either must be the label issuer or have one of the following usage rights .

These usage rights are elevated permissions, as they grant permission to change the sensitivity label. Because Power BI and Office apps use the same label policies, compliance admins may prefer not to grant these usage rights for Highly confidential labels. This might block you from collaborating with your colleagues when you’re sharing or downloading Power BI reports and trying to open them in the desktop app.

Collaborating and keeping label protection on PBIX files

By enabling “ Increase the number of users who can edit and republish encrypted PBIX files (preview) ” in your tenant, users that have been assigned with all of the following usage rights should be able to open, edit, and republish the protected PBIX file to the Power BI service:

  • View Content (VIEW)
  • Edit Content (DOCEDIT)
  • Save (EDIT)
  • Copy and extract content (EXTRACT)
  • Allow Macros (OBJMODEL)

Thus, users who were once restricted can now collaborate with protected files, while keeping protection consistent with the organizational policy.

Note: These usage rights are a sub-set of the “Co-Author” permissions preset in Microsoft Purview compliance center.

What are the restrictions and why?

In order to align with compliance requirements, users with these usage rights are lightly restricted while editing a protected PBIX file.

No exporting to unsupported formats –The user won’t be able to export to formats that don’t support sensitivity labels, such as CSV files.

No label change – The user can’t change the label on the PBIX file.

A screenshot of a computer No label change - The user can't change the label on the PBIX file.

Republishing to the original workspace only

Republishing to the original workspace only

Why restrict republishing into the original workspace only?

To remain compliant, we must keep users from gaining more permissions, including Power BI permissions (i.e., Read, Write, Reshare and Build). Meaning that a user who wishes to publish should not be able to publish to a workspace that might grant them additional permissions through Workspace roles.

Additionally, this feature is meant for collaborating and sharing items that are more restricted than usual, and confidential data is usually managed in a dedicated workspace. This restriction will prevent users from publishing confidential data across the tenant.

Side note: The file must be published at least once for other users to be able to republish it to that specific workspace. If the file has not yet been published, then the latest label issuer (the one who set the protected label) or a user with sufficient usage rights must publish it and then share the file with the other editors.

How to enable it

Prerequisite: The compliance admin must assign you and your colleagues the proper permissions for that sensitivity label.

Next, Fabric/Power BI admins must enable the feature in Admin Portal > Information protection > Increase the number of users who can edit and republish encrypted PBIX files (preview).

In Power BI Desktop, users who would like to open and edit protected PBIX files must enable the feature by opening File > Options and settings > Options > Preview feature > Less elevated user support.

Final words

With this new feature, users can now collaborate more easily with other users when working on confidential data in Power BI Desktop, without any loss of protection along the way.

That is all for this month! Please continue sending us your feedback and do not forget to vote for other features that you would like to see in Power BI! We hope that you enjoy the update! If you installed Power BI Desktop from the Microsoft Store,  please leave us a review .

Also, don’t forget to vote on your favorite feature this month on our community website.

As always, keep voting on  Ideas  to help us determine what to build next. We are looking forward to hearing from you!
