More and more people are applying to do a PhD. What many don’t know is it takes serious skills to do one – and, more importantly, complete it.

We analysed the selection criteria for PhD candidates on a platform that advertises PhD programs. Our analysis of thousands of these ads revealed exactly what types of skills different countries and disciplines require.

Why do a PhD in the first place?

People pursue a PhD for many reasons. They might want to stand out from the crowd in the job market, learn how to do research, gain a deeper expertise in an area of interest, or pursue an academic career.

Sadly, too many PhD students never finish. The PhD turns out to be too hard, not well supported, mentally taxing, financially draining, etc. Dropping the PhD often means significant financial loss for institutions and individuals, not to mention the psychological costs of other consequences such as low self-esteem, anxiety and loneliness .

Our society and economy can only benefit from a better-educated workforce, so it is in the national interest to manage PhD intakes and be clear about expectations. The expansion of doctoral education led to a more competitive selection process, but the criteria are opaque.

To clarify PhD expectations, we turned to a European research job platform supported by EURAXESS (a pan-European initiative by the European Commission) where PhD programs are advertised as jobs. Required skills are listed in the selection criteria. We analysed 13,562 PhD ads for the types of skills different countries and disciplines require.

We made three specific findings.

1. Top 3 skills needed for a PhD

It turns out that it takes many so-called transferable skills to do a PhD. These are skills that can be translated and applied to any professional context. The top three required skills are:

communication – academic writing, presentation skills, speaking to policy and non-expert audiences

research – disciplinary expertise, data analysis, project management

interpersonal – leadership, networking, teamwork, conflict resolution.

Trending skill categories are digital (information processing and visualisation) and cognitive (abstract, critical and creative thinking and problem-solving).

Previous research shows transferable skills are requested for post-PhD careers, including both academic and non-academic jobs. Our research shows such skills are already required to do a PhD. Those keen to do a PhD are well advised to provide strong evidence of such skills when applying.

2. Skill demands vary by country and discipline

Skill demands significantly differ by country and discipline. For example, 62% of medical science ads mention interpersonal skills. This is twice as often as in biological science ads. Digital and cognitive skills score much higher in the Netherlands than in other countries.

Our research article reports on 2016-2019 data and the top five represented countries (Netherlands, Germany, France, Spain and the UK) and the top five represented disciplines (biological sciences, physics, chemistry, engineering and medical sciences). 3. PhD expectations are rising

We see a rise in PhD expectations over time (2016-2019) as more skills are listed year on year. The publish or perish culture prevails and rising demands on academics have led to calls for more engaged research, collaborations with industry, and research commercialisation .

Research-based learning needs to start early

These insights have implications for pre-PhD education and pathways. Undergraduate and postgraduate degrees can further promote PhD readiness by embedding authentic hands-on research with academic or corporate partners, either as part of the curriculum or as extracurricular activities.

Many postgraduate degrees offer authentic research project work opportunities but are shorter. Those entering the PhD without a postgraduate degree miss out on developing essential research skills.

Authentic research experiences need to happen early on in higher education. Organisations like the Council on Undergraduate Research ( CUR ), the Australasian Council for Undergraduate Research ( ACUR ) and the British Conference of Undergraduate Research ( BCUR ) are designed to support institutions and individuals to do this effectively. They showcase great models of undergraduate research.

We know research-based learning develops employability skills such as critical thinking, resilience and independence.

Embed career development in PhD programs

Doctoral training needs to take note, too, if it is to further build on the skill set that PhD applicants bring with them.

The good news is doctoral education has transformed in recent decades. It’s catching up to the call for better-skilled graduates for a range of careers. The training focus has shifted towards generating practice-based and problem-solving knowledge, and engaged research with other sectors.

Some institutions now offer skill and career training. Generally, though, this sort of training is left to the graduates themselves. Many current PhD candidates will attest that the highly regulated and tight PhD schedule leaves little room for voluntary activities to make them more employable.

Most PhD candidates also know more than half of them will not score a long-term academic job. Institutions would serve them better by formally embedding tailored career development opportunities in PhD programs that prepare for academic and non-academic jobs .

It’s not only PhD graduates’ professional and personal well-being that will benefit but also the national economy.

The 7 Essential Transferable Skills All PhDs Have

During your PhD, you’re not just learning about your research topic. You’re also learning core skills that apply to jobs both in and out of academia. Most institutions don’t teach you to articulate these transferable skills in a way that aligns with how they’re described in the business world. Knowing your skills increases your value as a candidate.

Written Communication

It takes practice to become a good writer. Fortunately, as PhD student you have years of practice writing papers, conference abstracts, journal manuscripts, and of course your dissertation. The feedback you receive from your supervisor and peer reviewers will help improve your communication skills.

Research skills are valuable even in many fields outside of academia. As a trained researcher, you are able to determine the best approach to a question, find relevant data, design a way to analyze it, understand a large amount of data, and then synthesize your findings. You even know how to use research to persuade others and defend your conclusions.

Public Speaking                   

Strong oral communications skills are always valued, and PhD students get more public speaking opportunities than most. Through conference talks, poster presentations, and teaching, you will learn to feel comfortable in front of a larger audience, engage them, and present complex ideas in a straightforward way. Winning a teaching award or being recognized as the best speaker at a conference is a concrete way to prove your public speaking skills.

Project Management

Even if you’re not working as a project manager, every job requires some degree of project management. Fortunately, a PhD is an exercise in project management. Finishing your dissertation requires you to design a project, make a realistic timeline, overcome setbacks, and manage stakeholders. During this time, you will also have to manage long-term projects at the same time as short-term goals which requires strong organizational skills.

Mentoring and teaching are the two main way PhD student can learn leadership and management skills. As a teacher or mentor, you have to figure out how to motivate someone and help them accomplish a goal. You also get experience evaluating someone’s performance (grading) and giving constructive feedback.

Critical Thinking

Every PhD student learns critical thinking skills whether they realize it or not. You are trained to approach problems systematically, see the links between ideas, evaluate arguments, and analyze information to come up with your own conclusions. Any industry can benefit from someone who knows “how to think”.

Collaboration

Very few jobs require you to work completely independently, and academia isn’t one of them. Your dissertation is a solo project, but on a day to day basis you work with other people on your experiments or preparing a journal manuscript. Doing these tasks successfully requires knowing how to divide up a task, get along with others, communicate effectively, and resolve conflict.

How to prepare a strong phd application.

Doctoral candidates and departmental coordinators at the Wharton School outline a few tips to help you navigate the PhD application process.

It’s no secret the application process can be intimidating. Where do you start? What exactly are schools looking for on your application? What materials do you need to submit? Doctoral candidates and departmental coordinators at the Wharton School have outlined a few tips to help you navigate the process.

Don’t Delay the Process

A successful PhD applicant starts thinking about their application months or even years before the deadlines. For Alejandro Lopez Lira , a third year student in Finance, the application process began a year before he actually submitted the paperwork. He said, “I spoke to my advisors way before, like one year before, about my letters of recommendation, where to apply, everything involved in the process.”

Each program has different requirements, which can make for a tedious process. Karren Knowlton , a third year in Management, said, “I took a little while to draft a personal statement. I had my mom, who teaches creative writing, and a few other people that I trust just read over it. Then you have to tweak it for different schools because they want slightly different things.”

Taking time to prepare your application is critical. Starting the process sooner rather than later gives you several advantages:

  • It allows your letter of recommendation writers enough time in advance to thoughtfully prepare a letter that speaks to who you are as a PhD candidate.
  • It gives you more time to review your materials, fix any errors, and proofread, proofread, proofread.
  • Finally, it means a lot less stress when the deadline starts rapidly approaching. By planning ahead, you’ll have a much smoother process applying.

Get Letters of Recommendation

Prof. Matthew Bidwell , who previously served as the doctoral coordinator for the Management program , said a common mistake he sees are letters of recommendations from employers. Although he said it is impressive to see work experience, having an employer write a letter is not the best choice.

“We don’t pay very much attention to those because rightly or wrongly, we worry that they’re not looking for the kinds of things that we’re looking for,” he said. “If you have one, it’s not a disaster, but when you see people with two or three — most of their recommendations coming from their work — that kind of heightens our concern. You’re committing to a fairly specialized career, do you really know what that career entails?”

Instead, he suggests getting to know an academic who will be able to write a recommendation attesting to your ability to manage doctoral-level research and work.

Include Research/Work Experience in Your Field

Each program has a unique set of criteria to evaluate applicants, but several doctoral coordinators agree that some research and work experience in your field of interest will strengthen your application overall.

Prof. Fernando Ferreira , doctoral coordinator for the Business Economics and Public Policy and Real Estate programs, thinks work experience can be useful in demonstrating an applicant’s abilities. He said, “Any work experience after undergraduate school is important. If that experience is more related to research it’s even better, but work experience in general is always good.”

Prof. Guy David , doctoral coordinator for the Health Care Management & Economics program , thinks that work experience benefits applicants in terms of giving them a broader view of business. “Work experience creates retrospection about how the world works, how organizations make decisions, and how people function in various situations,” he said.

However, he warns that spending too much time away from an academic setting can have its drawbacks too. “It may lead people to start their PhD later when they are not in the habit of immersing themselves in rigorous studies and have a shorter horizons to develop a name for themselves,” he said.

Although having both research and work experience can strengthen your application, you will not be denied entry because you are lacking either.

Prof. Bidwell said, “I think research experience does give us some confidence that people have some idea about what it is that we do. In terms of work experience, I think we don’t have a strong view. We quite like work experience, but we also take people straight out of undergrad.”

Prepare for the Standardized Tests

Most PhD programs require students to take the Graduate Record Examinations (GRE). Having high test scores is a key part of an application as it tests skills learned over the course of many years in school. Quantitative skills are especially important when applying to doctoral programs in business areas. Much like any other standardized test, the GRE requires preparation.

Karren, who took the GRE twice to ensure her scores were high enough, offered advice to those who may be struggling. “I would absolutely recommend practicing the writing beforehand. Look up examples and have your outline structured,” she said. “So much of it is just getting the right structure and how you formulate your arguments so knowing what they’re looking for is key.”

Test prep can be time-consuming, but like anything else, practice makes perfect. There are multiple text books and online sites to help you prepare for the exam. Karren aimed to improve her math scores the second time she took the GRE and recommended this site to help strengthen math skills.

Taking advantage of resources to help you study can limit the number of times you need to take the GRE while ensuring you score high enough to remain in the applicant pool.

The Graduate School at Duke University

Rarely is there discussion of how to prepare for doctoral programs in professional master’s programs. So when I came across a workshop on preparing Ph.D. applications by Assistant Dean for Graduate Student Development J. Alan Kendrick , I jumped right into it even though it was scheduled to be around midnight in my time zone. (Yes, graduate school remotely from Pakistan is tough and disorienting, but that is a topic for a different blog post.) Here was someone who, in addition earning a Ph.D. himself, has years of experience in selecting Ph.D. applicants, so there could not have been a better opportunity to get introduced to the process! In this piece I’ll touch upon some major points highlighted by Dr. Kendrick to explain what it means to aim for a Ph.D. program and build a solid Ph.D. application.

THe Master's Versus the Ph.D.

Starting off, it is crucial to know the difference between a master’s program and a Ph.D. program. Whereas a master’s degree will generally be more specific than an undergraduate degree and usually span one to three years, a Ph.D. program usually entails a more focused set of question(s) within a discipline and usually spans five or more years. In a Ph.D., the cost of attending is often covered through a combination of fellowships and stipends. Schools are more likely to look for applicants who secured funding from external sources, but this it is not always necessary.  So, a good yardstick to measure your readiness and commitment for a Ph.D. program is your willingness and ability to work consistently for years on the academic inquiry you wish to pursue to push the frontiers of existing human knowledge. Scholars in STEM fields such as microbiology or solid-state physics usually spend most of their time in labs, so it is essential to get to know the work environment, culture, and expectations in your prospective labs.

A Strong Application

After getting clarity on what a Ph.D. program demands, let’s get into some major elements of a strong Ph.D. application. Broadly speaking, a Ph.D. application consists of previous academic grades, competitive examination scores, work experiences, letters of recommendation, and a personal statement. For a Ph.D. program, all previous academic grades are weighted and assessed including undergraduate transcripts, while standard examination scores (i.e., the GRE) are now becoming optional at many institutions. And while top-tier grades are a great foundation, they are not decisive as each application is looked at holistically with all its elements to give a better picture. Letters of recommendation from previous academic supervisors are weighted heavily along with your personal statement.

One thing Dr. Kendrick emphasized was to not just get recommendations as mere “character profiles” but rather what he called “ strong recommendations.” Before you ask for faculty recommendations, share your résumé with them, sit down with them over a Zoom call (at least during the pandemic) and share your aspirations and objectives, and then ask for strong recommendations. Additionally, you should waive your right to review recommendation letters in your applications as doing this will indicate that the referee has been candid in your assessment for the admissions committee.

Mastering the Personal Statement

Finally, I come to the part where the ball is really in your court: the personal statement! I say this because while other elements of your application—grades and transcripts, previous work experiences, etc. are no longer alterable—the personal essay is your space to unapologetically express your true self and how you have evolved to be the person you are today. You can explain how your intellectual life has brought you to your specific academic area and where you see yourself going forward. Your statement should make it clear why you are interested in the field, the institution and program you are applying for as well as your research and career goals. Your essay should be tailored to the institution and/or program. Red flag here: if you end up with an essay where you can just replace institution names, then you haven’t met your goal. Additionally, your statement should include details about your background that can help the faculty better understand your motivation for pursuing their program. This can be anything—people, events, challenges, and achievements that have aided your growth and add to your fitness for the program. Additionally, you should address any noticeable discrepancies or gaps in your profile or transcripts that are worth mentioning.

While the personal statement is crucial to your application and speaks on your behalf in a room full of faculty who are judging your application, it is important to understand that there is no standard format or template that you should follow. This space is supposed to be personal, and it is supposed to be yours. It is also equally important to understand that the faculty judging applications are humans like us and often have diverging opinions about different profiles. Also remember that funding and positions for Ph.D.s are often limited and hence a rejected profile does not necessarily make it an incompetent or ineligible one.

In a nutshell, for a strong Ph.D. application, you need academic questions that keep you up at night and the discipline to follow the guidelines Dr. Kendrick shared, so that you can demonstrate your willingness and ability to work under supervision to answer those academic questions. This session with Dr. Kendrick brought me much-needed clarity to tackle my Ph.D. applications, and I hope this post does the same for you!

But before you can get stuck in, you’ll need to secure your place by putting forward a compelling PhD application and resume.

If you’ve never written an academic-style resume before, the process can be daunting. That’s why I’ve created this step-by-step guide to writing a resume for a PhD application.

As you can see from the resume example above, a PhD resume is structured differently to a traditional resume. Instead of focusing on work experience, academic experience and accomplishments are prioritised.

However, the fundamental resume writing rules stay the same. Therefore, the candidate has put forward their information in a way which is clear, concise and formatted for easy reading.

PhD programmes receive thousands of applications, meaning the university admissions teams are generally very time-strapped.

As such, you need to structure and format your resume to make it as easy as possible for them to review.

First impressions count and a cluttered or disorganised application won’t do you any favours.

Instead, you should aim for a clean, well-organised and professional appearance throughout.

Formatting Tips

  • Length: While academic resumes are generally longer than standard resumes, it’s still best to aim for a short, relevant and concise document. For PhD applications, a length of one or two A4 pages is ideal. This is more than enough space to highlight your suitability without overwhelming the reader with irrelevant information or excessive detail.
  • Readability: The information on your resume should be laid out logically, with clear section headings for easy navigation. Break up large chunks of text into small, snappy paragraphs and include bullet points where appropriate.
  • Design: Opt for a clear, legible font and stick to it throughout – consistency is important. Ensure your headings are formatted for attention by using bold text or a slightly larger font size.
  • Things to avoid: Steer clear of elaborate designs, fancy fonts, images or logos – they’re simply not needed and might distract from the all-important written content.
  • Things to consider: resumes ‘rules’ differ from country to country, so if you’re applying to an international university, take some time to research what’s expected of you.

Structuring your resume

Organise your content into the following sections for ease-of-reading:

  • Contact details – These should always be at the very top of your resume.
  • Personal statement – A brief introductory summary of your qualifications, skills and experience in relation to the PhD.
  • Core skills – A short and snappy list of your most relevant skills, tailored to the PhD.
  • Education – A detailed breakdown of your relevant qualifications, especially your undergraduate and postgraduate degree(s).
  • Career summary/research experience – An overview of any relevant work or research experience, angled towards your chosen field of study.
  • Additional information – A space to detail any other relevant information which may boost your application.

Quick tip: While the simple resume format above is usually ideal, academic institutions often have their own preferred structure. Double-check their guidelines before you start writing – their preferences should be prioritised – and use a resume template if you want to speed things up without sacrificing quality.

It should provide a snappy summary of who you are and why your qualifications, skills and ambitions make you a perfect candidate for the PhD.

Tips to consider when creating your personal statement:

  • Tailor to the PhD: Every PhD programme should have a description available, which you can use to tailor your personal statement ( and your resume as a whole). Focus on proving you have the appropriate educational background, skillset and knowledge to carry out the project.
  • Prove your enthusiasm: It’s important to put forward your drive and motivation for your field and explain why the specific PhD is so well-matched to your wider interests and ambitions.
  • Avoid clichés: Clichés and generic phrases like “I’m a motivated team player” and “gives 110%” won’t impress the admissions team.
  • Keep it short: A paragraph length of around 8-15 lines is perfect. This is only an introduction – the detail can come later on in your resume.

What to include in your resume for PhD personal statement?

  • Your academic background – Give a brief overview of your undergraduate degree and/or masters and how they’ve brought you towards this PhD.
  • Impressive results – PhD students are normally academically extraordinary, so make sure to point out any impressive results or feedback – whether that’s your degree as a whole or a particularly relevant assignment/project grade.
  • Relevant skills – Use the PhD project description to find out what the university is looking for in candidates. Then, try to incorporate the core skills into your summary.
  • Relevant experience – Not everyone will have any relevant research or work experience to their name at this stage, but if you do, make sure to briefly highlight it here.
  • Interests, goals & motivations – Give a brief insight into your motivation for taking on a PhD, why you’re so committed to your specific research topics(s) and what you think you can add. It’s also helpful to summarise how the course will fit into your wider career ambitions/goals.

Core skills section

Next, create a punchy list of core skills, organised into 2 or 3 columns of bullet points.

Use the project description to identify the required skills and knowledge, then use your findings to inform your list.

Education & Qualifications

A PhD resume is all about academic achievements and qualifications, so this section should make up the bulk of your resume.

Working in reverse chronological order, provide a detailed breakdown of your undergraduate and postgraduate qualifications.

If you have any other academic qualifications that are particularly relevant to the PhD subject, they might be worth listing, too.

Structuring your education

By working to a considered structure, you can ensure your education is easy to navigate and that your key achievements stand out.

For each of your relevant qualifications, break up information into the following sections.

Start by detailing the type of qualification, the title, the achieved grade, the academic institution at which you studied and the year you graduated.

Next, discuss your thesis or dissertation title (if applicable), the modules you studied and any relevant projects you were involved in.

What you choose to write here should be tailored to the PhD you’re applying for – focus the detail on the most relevant aspects of the qualification.

Finish up with a snappy list of key results, accomplishments or learning outcomes you achieved.

This might be an impressive grade for a highly relevant assignment, an award you won or a quote of exemplary feedback from a tutor.

Career & Research Experience

Next up is your career & research summary, which should be tailored to the PhD in question.

You could include relevant research experience here, as well as any related employment (even if temporary or voluntary).

Make sure to be selective with the type of employment you list, though. For example, a part-time waiting on job isn’t worth including, but a laboratory or tutoring job might be. Ultimately, it should be related to your field or have helped you develop relevant skills or knowledge.

When discussing your research roles, make sure to detail the techniques you used, the skills developed and any interesting findings.

Structuring your experience section

Ensure your career & research section is clear, scannable and easy to read by working to the following structure:

Outline the dates of employment/contract, the role title and the organisation or institution you worked for.

A PhD is the highest level of academic qualification you can achieve. To secure your position, however, you first need an impressive CV for your PhD application.

Earning a PhD degree requires you to produce extensive research in a narrowly defined subject within a certain discipline and to make a considerable original contribution to your field.

Hence why PhD programs are always very selective. The admission rates hover around 10% and only about half of the admitted candidates actually finish the degree, according to a recent psychology research .

As a result, less than 1% of the population attains a PhD.

So, how do you become a part of the 1%?

The process of attaining a PhD starts with a strong application which includes an impressive academic CV .

A CV for PhD application needs to be carefully crafted, well formatted, and contain specific sections.

We'll show you how to craft a stellar PhD application CV, and a sample academic CV from a real person admitted to a PhD program in France.

First, there are two types of career documents job seekers widely use. A resume and a Curriculum Vitae (CV).

These two documents are similar but not identical.

So, let's have a look at the key differences between a CV vs a resume :

  • A resume is used when applying for a position in industry, non-profits, or the public sector. It should focus on skills and past experience while being tailored to a specific job position. The length of the document shouldn't be more than 1 or 2 pages.
  • A curriculum vitae (CV) is used when applying for positions in academia, science, or medicine. It focuses on education, research background and scholarly accomplishments. Finally, its length depends on the number of references, publications, etc.

There are even more types of CVs. A general CV, an industry (professional) CV, or an academic (research) CV — which is exactly the one you'll need.

In a nutshell, an academic CV is a career document that provides extensive information about your educational and research background. Scholars and researchers use this document when applying for jobs in academia — such as a PhD application.

Lastly, an academic resume is a term you can often come across, too. To avoid any confusion, it's the same as an academic CV. A more appropriate term is, however, the latter.

Rules are important in academia. That's why all academic CVs usually follow pretty strict structures regarding their content and formatting.

First, let's have a look at the resume sections you should include in a CV for PhD application:

  • Contact information. Include your full name, email, phone number, and location.
  • (Research) objective. A concise, brief paragraph outlining your research plans and strategies.
  • Education. It should form the bulk of your CV and detail you educational background.
  • (Research) experience. Your research experience can often set you apart from other candidates.
  • Publications. Include anything from journal articles, published reports, to your research dissertation.
  • Awards. Mention all awards and accomplishments you’ve received in reverse chronological order.
  • Skills. These should be relevant to the PhD project or show that you have what it takes to succeed as a researcher.
  • References. Finally, try to include at least two references, such as your dissertation supervisor and one other member of staff.

How to write an academic CV for a PhD application ?

Applying for a PhD will be a lot less stressful if you follow this quick guide on how to write a CV for a PhD application:

You should always start your CV or your resume by providing your contact details to form the CV header . Include your full name, your professional email address, and your mobile number. Additionally, you can include your location. However, we don't advise including your full home address for privacy reasons. Entering the country and city you reside in is usually enough. Since a CV is a bit different than a resume, we don't recommend including links to your social media .

Research objective is basically a brief paragraph at the beginning of your CV outlining your research plans, interests, and strategies. It paints a picture of you as a person and will guarantee that the admissions committee will be interested in reading and learning more about your professional background. Your research plans and strategies should align with the PhD project you're applying for. Hence, read the project description carefully and make sure to tailor your objective accordingly. Ideally, without making stuff up.

The education section should form the bulk of an academic CV. No one expects a potential PhD candidate to have 10 years of experience in the field. But what's expected is an appropriate educational background. A common practice is to list your education in a reverse chronological order. This means listing your Master's degree first and then a Bachelor's degree. For each degree, provide the full name of the degree, the type, its duration, the relevant courses and modules, the corresponding (or expected) marks, GPA , and any relevant projects or presentations. Also, include the name and the description of your final year dissertation project.

In this section, introduce all of the research projects you worked on, whether they were a part of your undergraduate degree, your master's degree, or you have undertaken this project elsewhere. You can include any voluntary , part-time , or full-time work experience you deem relevant for the PhD project of your choice. For instance, skip the part-time bartending job and rather include a teaching experience or a voluntary project you undertook.

Of course, it's okay if you don't have any publications yet. If that's the case, simply skip this section. However, if you do have any work published at this stage, list it in this section. The publications can include anything from journal articles, published reports, contributions to peer-reviewed journals, or an adaptation of your dissertation project. Make sure to check the citation style your institution or field prefers and use it consistently in your publications section. The most common ones are APA, MLA, and Chicago.

In this CV section, list relevant honors, achievements, or awards you earned for going beyond average — again in reversed chronological order. It includes scholarships, university fellowships, competitions, work-related awards, or academic awards . For instance, you can mention a very high GPA, subject-specific awards, or any grants you received. However, keep in mind that mentioning how much money was involved is only common in scientific fields.

The skills you mention in your academic CV should be relevant to the PhD project you're applying for or show that you have what it takes to succeed as a researcher. Between the two types of skills , hard and soft, hard skills are more appropriate to include in your CV for PhD application. Examples of hard skills include Python, data analysis, polymer synthesis, C++, Chem Draw, Ahrefs , languages, or other computer skills . However, completing a PhD degree usually also involves demonstrating your teaching abilities. For this reason, listing soft skills such as a good oral communication and presenting is also a good idea.

While a references section in a regular resume is pretty much redundant, in a CV for PhD application it's a must-have . Why? Well, having a person attest to your skills and achievements is a great way to leverage your professional experience. The person you ask should be articulate and in a reputable position. Your best bet is to ask your dissertation supervisor, a professor you had a good relationship with, or one who taught the subject most relevant for the desired PhD program. Apart from making sure the content of your CV is spot on, you should also follow some well-established formatting tips.

A clear layout and composition ensure your CV is professional and easy to read.

Here are a few tips to help you achieve that:

  • Keep the formatting consistent. If you choose a certain font type and size, stick to it. The same goes for margins, spacing, and capitalization.
  • Less is often more. It might be tempting to use bolding, italics, or underlining in order to make the document "easy" to read. However, an excessive use of these features actually has the exact opposite effect.
  • Avoid long paragraphs. A CV is all about providing objective facts regarding your professional background. Hence, no need to provide generic statements or go into too much detail. And if you happen to write more text, you can always divide it using bullet points.
  • Use professional language. It goes without saying, but don't use slang. Similarly, use professional jargon and abbreviations within reasonable limits.
  • Don't limit yourself to one or two pages. The length of your academic CV depends on the number of publications, awards, references, and experiences. Unlike a resume, a CV is a complete summary of your academic and professional background.

#3 Adapt your CV for international PhD programs

Adapting your CV for international programs involves more than just translating it into another language. 

Start by researching the academic culture and CV formats preferred in the country you're applying to. This might include:

  • the preferred length
  • whether to include personal information such as a photo
  • emphasis on certain types of experience or qualifications

For instance: in some countries, a detailed list of courses and grades might be important, while in others, a focus on research experience and publications is key. 

Websites of the target universities, country-specific academic career resources, advice from current international students, or even online forums like Reddit are invaluable for this purpose.

The ideal research program you envision is not what it appears to be

If you are planning to apply for a PhD program, you're probably getting advice from dozens of students, professors, administrators your parents and the Internet. Sometimes it's hard to know which advice to focus on and what will make the biggest difference in the long-run. So before you go back to daydreaming about the day you accept that Nobel Prize, here are nine things you should give serious thought to. One or more of these tips may save you from anguish and help you make better decisions as you embark on that path to a PhD.

1. Actively seek out information about PhD programs.

Depending on your undergraduate institution, there may be more or less support to guide you in selecting a PhD program – but there is generally much less than when you applied to college.

On the website of my physics department, I found a page written by one of my professors, which listed graduate school options in physics and engineering along with resources to consult. As far as I know, my career center did not send out much information about PhD programs. Only after applying to programs did I find out that my undergraduate website had a link providing general information applicable to most PhD programs. This is the kind of information that is available all over the Internet.

So don't wait for your career center or department to lay out a plan for you. Actively seek it out from your career center counselors, your professors, the Internet — and especially from alumni from your department who are in or graduated from your desired PhD program. First-hand experiences will almost always trump the knowledge you get second-hand.

2. A PhD program is not simply a continuation of your undergraduate program.

Many students don't internalize this idea until they have jumped head-first into a PhD program. The goal is not to complete an assigned set of courses as in an undergraduate program, but to develop significant and original research in your area of expertise. You will have required courses to take, especially if you do not have a master's degree yet, but these are designed merely to compliment your research and provide a broad and deep knowledge base to support you in your research endeavors.

At the end of your PhD program, you will be judged on your research, not on how well you did in your courses. Grades are not critical as long as you maintain the minimum GPA requirement, and you should not spend too much time on courses at the expense of research projects. Graduate courses tend to be designed to allow you to take away what you will find useful to your research more than to drill a rigid set of facts and techniques into your brain.

3. Take a break between your undergraduate education and a PhD program.

You are beginning your senior year of college, and your classmates are asking you if you are applying to graduate school. You think to yourself, "Well, I like studying this topic and the associated research, and I am going to need a PhD if I want to be a professor or do independent research, so I might as well get it done as soon as possible." But are you certain about the type of research you want to do? Do you know where you want to live for the next five years? Are you prepared to stay in an academic environment for nine years straight?

Many people burn out or end up trudging through their PhD program without a thought about what lies outside of or beyond it. A break of a year or two or even more may be necessary to gain perspective. If all you know is an academic environment, how can you compare it to anything else? Many people take a job for five or more years before going back to get their PhD. It is true though that the longer you stay out of school, the harder it is to go back to an academic environment with lower pay and a lack of set work hours. A one-year break will give you six months or so after graduation before PhD applications are due. A two-year gap might be ideal to provide time to identify your priorities in life and explore different areas of research without having school work or a thesis competing for your attention.

Getting research experience outside of a degree program can help focus your interests and give you a leg up on the competition when you finally decide to apply. It can also help you determine whether you will enjoy full-time research or if you might prefer an alternative career path that still incorporates science, for example, in policy, consulting or business — or a hybrid research job that combines scientific and non-scientific skills.

I will be forever grateful that I chose to do research in a non-academic environment for a year between my undergraduate and PhD programs. It gave me the chance to get a feel for doing nothing but research for a full year. Working at the Johns Hopkins University Applied Physics Laboratory in the Space Division, I was the manager of an optics lab, performing spectroscopic experiments on rocks and minerals placed in a vacuum chamber. While my boss determined the overall experimental design, I was able to make my own suggestions for experiments and use my own discretion in how to perform them. I presented this research at two national conferences as well — a first for me. I was also able to learn about other research being performed there, determine which projects excited me the most, and thus narrow down my criteria for a PhD program.

4. Your current area of study does not dictate what you have to study in graduate school.

You might be studying the function and regulation of membrane proteins or doing a computational analysis of the conductivity of different battery designs, but that doesn't mean your PhD project must revolve around similar projects. The transition between college or another research job to a PhD program is one of the main transitions in your life when it is perfectly acceptable to completely change research areas.

If you are doing computation, you may want to switch to lab-based work or vice versa. If you are working in biology but have always had an interest in photonics research, now is the time to try it out. You may find that you love the alternative research and devote your PhD to it, you might hate it and fall back on your previous area of study — or you may even discover a unique topic that incorporates both subjects.

One of the best aspects of the PhD program is that you can make the research your own. Remember, the answer to the question "Why are you doing this research?" should not be "Well, because it's what I've been working on for the past few years already."While my undergraduate research was in atomic physics, I easily transitioned into applied physics and materials science for my PhD program and was able to apply much of what I learned as an undergraduate to my current research. If you are moving from the sciences to a non-STEM field such as social sciences or humanities, this advice can still apply, though the transition is a bit more difficult and more of a permanent commitment.

5. Make sure the PhD program has a variety of research options, and learn about as many research groups as possible in your first year.

Even if you believe you are committed to one research area, you may find that five years of such work is not quite what you expected. As such, you should find a PhD program where the professors are not all working in the same narrowly focused research area. Make sure there are at least three professors working on an array of topics you could imagine yourself working on.

In many graduate programs, you are supposed to pick a research advisor before even starting. But such arrangements often do not work out, and you may be seeking a new advisor before you know it. That's why many programs give students one or two semesters to explore different research areas before choosing a permanent research advisor.

In your first year, you should explore the research of a diverse set of groups. After touring their labs, talking to the students, or sitting in on group meetings, you may find that this group is the right one for you.

In addition, consider the importance of who your research advisor will be. This will be the person you interact with regularly for five straight years and who will have a crucial influence on your research. Do you like their advising style? Does their personality mesh with yours? Can you get along? Of course, the research your advisor works on is critical, but if you have large disagreements at every meeting or do not get helpful advice on how to proceed with your research, you may not be able to succeed. At the very least, you must be able to handle your advisor's management of the lab and advising style if you are going to be productive in your work. The Harvard program I enrolled in has professors working on research spanning from nanophotonics to energy materials and biophysics, covering my wide range of interests. By spending time in labs and offices informally chatting with graduate students, I found an advisor whose personality and research interests meshed very well with me. Their genuine enthusiasm for this advisor and their excitement when talking about their research was the best input I could have received.

6. Location is more important than you think — but name recognition is not.

The first consideration in choosing a PhD program should be, "Is there research at this university that I am passionate about?" After all, you will have to study this topic in detail for four or more years. But when considering the location of a university, your first thought should not be, "I'm going to be in the lab all the time, so what does it matter if I'm by the beach, in a city, or in the middle of nowhere." Contrary to popular belief, you will have a life outside of the lab, and you will have to be able to live with it for four or more years. Unlike when you were an undergraduate, your social and extracurricular life will revolve less around the university community, so the environment of the surrounding area is important. Do you need a city atmosphere to be productive? Or is your ideal location surrounded by forests and mountains or by a beach? Is being close to your family important? Imagine what it will be like living in the area during the times you are not doing research; consider what activities will you do and how often will you want to visit family.

While many of the PhD programs that accepted me had research that truly excited me, the only place I could envision living for five or more years was Boston, as the city I grew up near and whose environment and culture I love, and to be close to my family.

While location is more important than you think, the reputation and prestige of the university is not. In graduate school, the reputation of the individual department you are joining — and sometimes even the specific research group you work in — are more important. There, you will develop research collaborations and professional connections that will be crucial during your program and beyond. When searching for a job after graduation, other scientists will look at your specific department, the people you have worked with and the research you have done.

7. Those time management skills you developed in college? Develop them further.

After surviving college, you may think you have mastered the ability to squeeze in your coursework, extracurricular activities and even some sleep. In a PhD program, time management reaches a whole new level. You will not only have lectures to attend and homework to do. You will have to make time for your research, which will include spending extended periods of time in the lab, analyzing data, and scheduling time with other students to collaborate on research.

Also, you will most likely have to teach for a number of semesters, and you will want to attend any seminar that may be related to your research or that just peaks your interest. To top it all off, you will still want to do many of those extracurricular activities you did as an undergraduate. While in the abstract, it may seem simple enough to put this all into your calendar and stay organized, you will find quickly enough that the one hour you scheduled for a task might take two or three hours, putting you behind on everything else for the rest of the day or forcing you to cut other planned events. Be prepared for schedules to go awry, and be willing to sacrifice certain activities. For some, this might be sleep; for others, it might be an extracurricular activity or a few seminars they were hoping to attend. In short, don't panic when things don't go according to plan; anticipate possible delays and be ready to adapt.

8. Expect to learn research skills on the fly – or take advantage of the training your department or career center offers.

This may be the first time you will have to write fellowship or grant proposals, write scientific papers, attend conferences, present your research to others, or even peer-review scientific manuscripts. From my experience, very few college students or even PhD students receive formal training on how to perform any of these tasks. Usually people follow by example. But this is not always easy and can be quite aggravating sometimes. So seek out talks or interactive programs offered by your department or career center. The effort will be well worth it when you realize you've become quite adept at quickly and clearly explaining your research to others and at outlining scientific papers and grant proposals. Alternatively, ask a more experienced graduate student or your advisor for advice on these topics. In addition, be prepared for a learning curve when learning all the procedures and processes of the group you end up working in. There may be many new protocols to master, whether they involve synthesizing chemicals, growing bacterial cells, or aligning mirrors on an optical table. In addition, the group may use programming languages or data analysis software you are unfamiliar with. Don't get discouraged but plan to spend extra effort getting used to these procedures and systems. After working with them regularly, they will soon become second nature. When I first started my job at Johns Hopkins, I felt overwhelmed by all the intricacies of the experiment and definitely made a few mistakes, including breaking a number of optical elements. But by the end of my year there, I had written an updated protocol manual for the modifications I had made to the experimental procedures and was the "master" passing on my knowledge to the next person taking the job.

9. There are no real breaks.

In a stereotypical "9-to-5" job, when the workday is over or the weekend arrives, you can generally forget about your work. And a vacation provides an even longer respite. But in a PhD program, your schedule becomes "whenever you find time to get your work done." You might be in the lab during regular work hours or you might be working until 10 p.m. or later to finish an experiment. And the only time you might have available to analyze data might be at 1 a.m. Expect to work during part of the weekend, too. Graduate students do go on vacations but might still have to do some data analysis or a literature search while away.

As a PhD student, it might be hard to stop thinking about the next step in an experiment or that data sitting on your computer or that paper you were meaning to start. While I imagine some students can bifurcate their mind between graduate school life and everything else, that's quite hard for many of us to do. No matter what, my research lies somewhere in the back of my head. In short, your schedule is much more flexible as a PhD student, but as a result, you never truly take a break from your work.

While this may seem like a downer, remember that you should have passion for the research you work on (most of the time), so you should be excited to think up new experiments or different ways to consider that data you have collected. Even when I'm lying in bed about to fall asleep, I am sometimes ruminating about aspects of my experiment I could modify or what information I could do a literature search on to gain new insights. A PhD program is quite the commitment and rarely lives up to expectations – but it is well worth the time and effort you will spend for something that truly excites you.

But on the other hand, he is making one huge mistake: Dr. Garnett isn't taking advantage of the power of the top section of his resume. More specifically - his headline .

This crucial section could provide Ph.D. graduates with an opportunity to include all relevant keywords that could match their profile. And at the same time, tease their professional story.

This may be obvious, but this example works as it shows that Dr. Garnett is not only a Ph.D. graduate, but his specific area of research and interest, which should supposedly match with the role he’s applying for.

A rule of thumb for headers is to never be vague about your research and expertise.

You could list your Ph.D. degree within your resume title so that it’s the first thing recruiters (and the ATS) see.

In the case of Dr. Garnett, his resume title could read “Dr. David Garnett, Ph.D.”.

Our suggestion is to be wary about the organization you’re applying for because if the culture is more informal, this may come off as “pretentious”.

Ph.D. resume summaries: HRs’ favorite instrument for advanced career storytelling

The Ph.D. resume summary is a really useful section for good first impressions and explaining your experience.

The summary can be used to highlight your skills, strengths, and achievements. While telling the story of your professional growth.

We know how important real-world examples are for you.

So, without further ado, here's how Dr. Lucina Collard rewrote her resume summary. And in the end, got the attention of a prestigious software development company.

Dr. Collard may have spent too much time in the lab, as her Ph.D. resume summary just lists what courses she took and her thesis statement.

No results, no outcomes.

In the end, she did decide to include some soft skills and passions, but without actually pointing out the “why” behind her work. This doesn’t make sense at all.

Here’s what her modified resume summary looked like in the end:

This summary works for one simple reason: it qualifies the achievements.

Dr. Collard has noted that within the past 6 years, she has been specializing in the job advert keywords “robotics” and “mechatronics”. The award is also a nice touch to paint the big picture of her experience.

Dr. Collard is apt at achieving results within a dynamic environment. That includes various professionals from different backgrounds.

When talking about her thesis, she goes on to show her familiarity with the process.

Editing Dr. Collard’s summary may seem just like one small step for her, but it’s actually a giant leap to securing an interview.

Making your Ph.D. resume experience section stand out for all the right reasons

When listing their experience section, most Ph.D. graduates are probably making the same mistakes.

The first one: leaving out your academic practice, thinking that recruiters only want to see work experience.

That's not true at all.

Your education would not only prove your technical capabilities, but also your soft skills. But, more on that in the following paragraphs.

The second error: those tricky job titles.

You'd find 1000+ resumes, listing each experience using the given academic titles; e.g. Professor, Lecturer, Post Doctorate Student, Graduate Student, etc.

Robotic vs personalized approach: 1:0.

The ATS, reviewing your resume, is set to recognize keywords that are vital for the job. The faster those appear at the top of your experience, the better.

Instead of listing that you used to be a "Lecturer at XYZ University", go with "Data Science and Machine Learning Lecturer at XYZ University".

Third slip-up: those tricky experience bullets.

Some Ph.D. graduates just list all their courses, research, and publications.

This isn't the way to go.

You should rather align your knowledge with the job description to prove tangible results.

A couple of questions to help:

  • What did this course help me learn and achieve that could be applicable to the job I'm applying for?
  • How did leading lectures help me to cooperate better within the learning environment?
  • What grants did my publications secure for the educational institute?
  • What effects did my research have on the big-picture subjects within the field?
  • The more you can get into the actuality (and practicality) of your education, the higher your chances are to get your first interview booked.

Let’s look at an example of how your experience can be showcased within your resume as crucial for the job.

This experience section is pretty negligent and robotic. Did you just get a diploma during those three-plus years?

One bonus tip on better systematizing your Ph.D. experience

General practice is that you'd create one single resume experience section.

But what if while writing your Ph.D. resume, you realize that in the past six years, all your experience is for the same institution?

Here's an idea to spice up your experience section. You can create a couple of experience sections, based on functionality.

Thus highlighting job advert keywords and, at the same time, including more details.

So you could have some of the following headers, under which you could classify your work:

  • Research Experience
  • Technical Experience
  • Analytical Experience
  • Leadership Experience
  • Mentorship Experience
  • Teamwork Experience
  • Higher Education Experience

How should you include your degrees within your Ph.D. resume education section?

Here's the advice you've probably been waiting for; introducing…

… "How to write about your degree without sounding like a snob?"

And there are two possible scenarios at play.

The first is that you're applying for a job related to your area of study.

You should list your Ph.D. degree in detail, including research topics, method expertise, and publications.

As you're writing for non-specialized audiences, don't go overboard with the complex terms. Instead, weave keywords from the job requirements within your education section.

In the second case scenario, you're applying for a job that has nothing to do with your degree.

Keep your education section plain and simple with your degree, university/college, dates, and location.

Either way, remember to always list all of your degrees in chronological order, starting with the latest.

This isn't just some made-up rule or HR caprice. Your resume education helps recruiters determine if:

  • Your basic training and knowledge would fit the job
  • You stayed focused on your coursework and graduated on time
  • You would be a good fit for the team. Some companies tend to hire graduates from the same university

Ph.D. in progress: Should you include your potential degree on your resume?

Being transparent on your Ph.D. resume is what builds that fantastic initial relationship with the company you're applying for.

Thus, you have to be very clear and precise, especially in your education section.

If you're still pursuing your Ph.D. degree, shift the focus from the future to what you've achieved so far.

Your education section could answer any of the following questions:

  • How applicable your degree is to the job opening?
  • Which of the courses you've completed would help the company grow?
  • Is your education a stepping stone within your professional experience?
  • What is your expected graduation date?

Being on the course to completing your Ph.D. is definitely commendable, but sometimes life happens. And you may be forced to drop out of your Ph.D. education.

Should you then list the degree you didn't complete?

The answer is 100% yes, as your Ph.D.:

  • fills gaps within your professional experience
  • is valuable experience
  • has helped you gain new knowledge

Making it clear to recruiters that your degree is "Incomplete" or that you "Didn't Graduate" is very important.

List your degree, dates, university/college, and status.

If you get to the interview stage, recruiters will ask you why you dropped out. Be prepared to talk about why it wasn't the best option for your career at the time, or hint at the circumstances.

Even if it's hard to believe, HR managers are people - just like you and me - and they are able to show understanding and compassion.

Ph.D. resume: Is there a dream skill set your potential employers would like to see?

Recruiters review your resume to see how your experience aligns with the role, with a big focus on transferrable skills.

Or in other words, what else can you bring to the table to help the business or institution grow?

And transferable skills can be both hard (or technical ) and soft skills .

Your hard skills include the technology you used to complete your studies.

Consider the opportunities you've has to:

  • test and measure antennas parameters in an Anechoic chamber
  • audit in a lab environment renewable energy sources' efficiency
  • develop software, using Python, to patch cybersecurity risks

The list can go and on and on. Your Ph.D. has probably provided you with a pretty solid technical background.

PhD Application Tips

7 phd application tips

You may think from the title of this article that it will concentrate on how to prepare PhD application documents, but if that were the case then you would miss out on some vital stages of the process of applying for a PhD. If you do move very quickly from “I want to do a PhD” to submitting a PhD application then this could affect the standard of your application and could also have effects on your subsequent PhD experience.

In another article, “ Why should you do a PhD? ” a number of academic colleagues stressed that PhD students need to have passion for their subject or research topic. This is true but does this “passion” also need to be managed especially during a PhD application phase? The dictionary definition of passion is “an intense desire or enthusiasm for something”. Sometimes being so focussed on the “something”, i.e. the PhD can mean neglecting some of the detailed preparation needed for an effective application or not considering enough about what a PhD will involve and demand of you. Therefore the rest of this article will offer tips that will utilise your passion but also offer some checks and balances that will control it and help to move you to make a well thought out and effective PhD application, as well as a commitment to three to four years of intensive work.

Tip 1- Start early

As with any career or personal decision the more time you can give yourself to explore options , find out about opportunities and explore your own motivations the better. Although it’s difficult to give an exact amount of time required for the research and exploration stages of applying for a PhD I would advise that thinking a year to 18 months ahead may be realistic.

Here are some suggestions of the type of actions you could take to get started:

Current students could start by talking to PhDs in their department about their experiences. They could also find out if there are relevant postgraduate study talks and events offered by the careers service or your school/department which may cover application processes, funding and opportunities.

For those who have graduated quite recently can you contact your final year or dissertation tutor and talk to them about what a PhD involves?

UK universities may also attend postgraduate study events in different countries which may be useful for anyone thinking of coming to the UK to undertake a research degree.

Tip 2 – Do your research

Research what you would like to research but also be prepared to adapt this to what is possible. This, as one of my academic colleagues stated, may be about achieving a balance between keeping an open mind, whilst listening to what potential supervisors or sponsors know about what is happening and retaining passion for, and knowledge about, the area you want to target. Keep checking the balance between the desire to apply for a PhD and applying for the right PhD.

Research who is working on the topics that interest you, read journal articles, blogs or other online resources, move beyond your current knowledge. Are there research seminars and public lectures that you could attend to enhance your knowledge and understanding of emerging areas? Maybe this will also give you the opportunity to meet and talk to potential supervisors? You will also be able to utilise this research or contacts when you are preparing a PhD application and at any subsequent PhD interviews.

Research funding – it is important to understand how PhDs are funded as well as know about funding sources and opportunities for PhDs. Good places to start are:

In my experience, prospective students leave the question of funding until late in the decision-making process possibly because they fear it may be a block to their ambitions or because they think potential supervisors may doubt their motivation if they raise any financial questions. If you are being offered funding make sure you understand what it will cover, for example, fees only or fees and living costs.

Do some practical preparation – set out a monthly budget for accommodation, food and transport costs. If you are moving to a new country or area, use local websites and newspapers to find out about housing and transport costs. Your application may be affected if you are already concerned about financial issues.

Tip 3 – Explore the reality

When I ask PhD students at my university to talk to prospective PhDs they all stress how much they had to adjust to a different work environment and culture. This happens whether they have moved immediately on from a previous degree or have had employment experience. The common themes they want you to consider are adjusting to working intensely on a specific area, the frustrations of research such as obtaining disappointing results and that progress can be slow. Some also talk about isolation especially if they have just moved from another university course or a team at work. They also mention that it can be difficult to know whether or not you are doing well enough. It’s not all doom and gloom though as they will speak with passion and excitement about being involved in original work and how much they have developed personally through their PhD experience. Make sure you find out as much as possible about the working life of a PhD student in your academic discipline.

You should also explore the skills and behaviours PhDs need to have and develop. For example:

  • Are you curious, dedicated, visionary or controversial?
  • Do you accept criticism, get bored by easy work or have the ability to self-teach?

These are just a few of the skills and qualities highlighted by Peter J Bentley in his book “The PhD Application Handbook” (Open University Press 2006). There are more for you to consider in Chapter 1 “Before you start”. Which of them do you have experience of, or strengths in, and which will you need to work on? You will be able to use these reflections in your personal statement and at interviews where supervisors will want you to provide specific and realistic assessments of what you will bring to a PhD. They read and hear a lot of very general and overarching statements from candidates so you will need to be more specific and insightful if you are to convince them to take you on.

Tip 4 – Make contact

Academic colleagues stress how important it is to make contact with potential supervisors as early as possible. Colleagues from the arts and humanities, offered the following pieces of advice, “once you have a specific research area … be brave (and it does take a bit of courage) write to the academics concerned…”, “get in contact formal/informal … and write a research proposal as a collaborative process … try and get some sort of working relationship with them before you submit your application” or “the best thing is to pick up the phone ….personal contact is invaluable.”

For those in other academic disciplines, this advice also holds true as you should talk to tutors and potential supervisors about the areas that you are interested in. Even if the initial contact is with someone who is not directly working in that area they may be able to refer you to others who are. If you are contacting someone new make sure you know something about their work and use this to make a more specific approach to them, for example, referring to a paper you have read and using this to illustrate why you want to work in this area.

Try not to open any conversation, written or telephone, with “I’ve always wanted to work with you”, realistically this is probably not true. “I’ve recently become very interested in the work of your group as my final year project has been examining ….”, could be an example of a more realistic approach and will also allow you to begin to write as a potential PhD student. Supervisors will start to assess you as such from the first contact you make with them so take note of the points in Tip 5.

Tip 5 – Presenting yourself effectively on paper

Before you begin preparing your CV, personal statement or research proposal make sure you understand the PhD application system, don’t rush in. If you have any queries contact the postgraduate admissions team at the university you are applying to.

Your CV should concentrate on your academic record, highlight achievements such as a distinction in a Masters or other awards or prizes. Make sure you include details of projects at masters and/or undergraduate levels, as well as other relevant skills and experience, e.g. lab or programming skills. If you have been fortunate enough to publish your work in a journal or at a conference then this should be referenced in your CV.

A personal statement should be focussed and specific but also convey enthusiasm and conviction for your subject. Don’t use overspecialised vocabulary especially if you do not really understand its meaning! You could look very foolish if you are asked about it at the interview. In the words of a colleague, “Avoid excess detail, be concise and absolutely clear. Lucid presentation speaks volumes.” “Get someone rigorous to read and criticise your draft – don’t ask friends they tend to be too polite.”

If you are submitting a research proposal (not all applications require this) the advice is similar to that for personal statements in terms of style. In addition, academics would advise being realistic about the scope of your proposal, “a PhD dissertation needs to fulfil certain sensible criteria and so it isn’t an opportunity to change the world”. “It is not a good idea to pretend you know exactly where the research is going. If it really is research then the outcome can’t be known at the application stage …….yet the student needs to have a fair grasp of what is going on in the field and why the proposal matters.”

It is difficult to prepare these documents on your own and especially not the research proposal. Make sure you get feedback and comment from your tutors. University careers services will offer CV and personal statement reviews and may also run PhD application workshops. There are, of course, online resources such as those on jobs.ac.uk as well as books on applying for and getting a PhD. Factor in time for drafting and re-drafting all of these documents and then double it, they always take longer to do than you think. Make sure you allow for other factors such as assignment or work deadlines that may take priority. Above all do not rush your application it will be very obvious to the reader especially as you are likely to miss some of the obvious problems – typographical or grammatical errors – even one of these could lead to your application being rejected immediately.

Tip 6 – Interviews

Not all PhD candidates will have an interview but if you do whether this is a face to face interview or via the telephone or skype then as with all interviews you MUST prepare. For questions related to the research you are going to be involved in, can you demonstrate that you have already started to consider how the research will be conducted, can you state thoughtfully why this research matters, are you aware of existing work and why there is a gap that needs to be filled?

Remember that the interview will provide an indication of the way you need to work as a researcher, so, for instance, your interviewers may ask you to explain research methods you have used before or intend to use in the future. They may challenge some of your views or thinking or offer an alternative for you to consider. They may not be expecting a perfect answer but will be assessing your ability to listen, consider quickly and either adapt or defend your approach.

You may also be asked more general questions about the skills and behaviours you have that will make you a good PhD candidate and why you want to do a PhD? If you have worked through Tips 1 – 4 then you should be well prepared for these questions and able to answer confidently, enthusiastically but realistically.

Interviews are two-way conversations and are also an opportunity to assess your potential supervisor (s)! In fact, a colleague at Nottingham asks PhD candidates if they are happy to work with him, his team and in the department? You may not always get this direct approach but it is important that you consider these things during or immediately after an interview. You could also use the opportunity to ask questions of the interviewers to find out about their style of supervision and what their expectations of you will be, should you work with them?

Tip 7 – Make informed choices

All of the tips above relate to this final aspect of applying for a PhD, it is about making informed choices and using the research you do to make a realistic and well thought out application. So at the risk of being repetitive:

Give yourself TIME

Consider whether there is a step between undergraduate and PhD, masters or other career experience that would be beneficial for you in making an informed choice or a better application?

Think ahead either in terms of applying for the right PhD or considering what it may lead to – the life beyond a PhD

Make contact with potential supervisors and get help when you are preparing application documents or going for an interview.

  • The purpose of an academic CV for a PhD application is to provide a summary of your educational background and demonstrate the research skills and relevant experience you have that make you capable of undertaking a PhD.
  • It should be divided into nine sections : (1) contact information, (2) research interests, (3) education, (4) research and work experience, (5) teaching experience, (6) relevant skills and experience, (7) publications and conferences, (8) professional memberships, (9) referees.
  • It should ideally be up to two pages for a new research student, but can extend up to four pages if required.
  • The smaller details matter more than you think – write concisely, use consistent formatting, avoid jargons and general statements, check spelling and grammar, and have at least one academic to proofread it for you, ideally in the same area you are applying to.

Introduction

So you are nearing the end of your current degree or making a return to education, and you’ve decided to make your next step a PhD. While the road ahead will be filled with much excitement, you’ll need to secure your position first. This will all begin with a strong PhD application and an equally impressive academic CV and personal statement or cover letter.

Together with your personal statement or cover letter, your CV will show who you are as an individual and what you have to offer. It needs to be concise, correctly formatted and well written to convince your preferred university and supervisor that you are the right student for the project.

This step-by-step guide will get you on your way to creating an outstanding academic CV for your next PhD application. We’ll discuss the sections your CV should be structured into, what each of these sections should include, and how it should be written. We’ll also give you valuable tips that are sure to get your readers’ attention.

What Is an Academic CV?

When applying for a PhD position, it’s common for the university to request a curriculum vitae (CV) from you to accompany your application.

An academic CV may appear similar to a standard CV used for job applications, but they are two relatively unique documents.

Where a standard CV focuses mostly on what your previous responsibilities have been and what you have accomplished to date, an academic CV concentrates on your academic background, achievements and experiences . Your academic CV will be used by a PhD supervisor to determine whether you can meet the challenges associated with undertaking a demanding PhD research project, as not everyone can.

How to Write an Academic CV for A PhD Application

A good academic CV should be broken into nine section headings:

  • Contact Information
  • Research Interests / Personal Profile
  • Research and Work Experience
  • Teaching Experience
  • Relevant Skills and Experience
  • Publications and Conferences
  • Professional Memberships
  • Referees / References

Below, we discuss what each of these sections should contain and how they should be written.

1. Contact Information

Start your CV by providing your contact details. All of the following should be included:

  • Full name  – Your name should be your document title, formatted in bold and centralised text.
  • Email address and contact number
  • Location  – Your town/city and country, e.g. ‘Birmingham, UK’, will be sufficient; it’s not necessary to provide your full home address.
  • Profiles  – Include a link to any professional profiles you may have, such as LinkedIn or ResearchGate.

NOTE:  Some individuals include a profile photo but be careful before doing so. While this would be expected in some countries such as those in Asia, the Middle East and Africa, this would not be the case in other countries such as the UK and US. This is because it can lead to complications with labour and anti-discrimination laws and potentially cost you your application. We therefore strongly advise you to look into the norms and regulations of the host country before deciding to do so.

2. Research Interests / Personal Profile

For an academic CV written for a PhD position, your ‘research interests’ section will double as you ‘personal profile’. As a brief introduction to yourself, this will be an important section as it sets the first impression of you for the reader.

Use bullet points or a brief paragraph to summarise who you are, your relevant qualifications, your research interests and your relevant skills and experience. When writing this section, your focus should be on two aspects: demonstrating your  ability to conduct a PhD  and your  enthusiasm for the project .

To create an impactful research interests’ section, adhere to the following:

  • Tailor to each research project you apply for:  One of the easiest ways to do this is to read the project description attached to the PhD advert, identify two to three of the most prominent keywords, and incorporate them into your writeup.
  • Keep it short:  This section is only an introduction, so keep it concise and punchy over long and detailed; 50 – 60 words is a good target.
  • Make every word count:  As 50 – 60 words isn’t much, be as specific as you can. Avoid clichés such as “I am committed to research and have a high attention to detail” at all costs; not only are they generic and overused, they also don’t provide the reader with any useful insights into you.

3. Education

A PhD CV is all about academic achievements and qualifications, so your education section should be given high importance and form the bulk of your CV, especially as it will be used to determine if have the core skills required for the position.

Working in reverse chronological order, provide a breakdown of your current academic qualifications. For most of you, this will be an undergraduate Bachelor’s degree and a postgraduate Master’s degree.

When listing your qualifications, provide the full name of the degree, the degree type, and the duration in terms of its start and end year. You do not need to limit this to your past qualifications; if you’re currently studying or taking an external course, include them as well, but state that they are ongoing and provide an expected grade if you have one.

If your degree is relevant to the PhD project you are applying to, include a list of the modules you completed and your corresponding marks; the same applies to your final year dissertation project.

Note:  If you list your relevant modules, streamline their names by removing any course codes. For example, “FN01 Fluid Dynamics” should become “Fluid Dynamics”. Course codes are only used for internal purposes, and each university will have its own system, so remove them to avoid any possible confusion.

Feel free to also list your GCSEs, A-Levels or other relevant academic qualifications if applicable to the field you are applying to, however, this isn’t necessary, and most supervisors will not ask for them. The exception to this is if your university degree is not directly related to the project you are applying for, but your previous qualifications are. In these cases, include them to help demonstrate the suitability of your academic background.

Finally, list any honours, awards and prizes that you have won or any other notable academic achievements that will help to strengthen your application.

4. Research and Work Experience

Your research and relevant work experience is just as, if not more, important than your educational background. This is because most applicants applying for the position will have similar qualifications, so your research experience can often be the deciding factor when all other things are considered equal.

Your research experience may include both paid and voluntary, full-time and part-time work, as well as university project work. However, in all cases, the experience you mention should be relevant to the project you are applying for or have helped you develop skills that make you a more capable researcher. For example, it’s not necessary to mention your time in retail, but any previous time as a laboratory or teaching assistant or teaching support absolutely will be.

If you any discuss research that you have done as part of your studies, present them as individual project listed in reverse chronological order, as before. You can also include research projects you are currently working on, regardless of how developed they are.

When discussing any projects, include the following:

  • What the project was about,
  • What research methods you used,
  • The skills you gained,
  • Any notable achievements or outcomes.

5. Teaching Experience

Since one of the main career paths after a PhD is an academic career, teaching experience can significantly strengthen your academic CV. However, it is generally accepted that not all applicants will have teaching experience, but if you do, include it here.

When discussing your teaching experience, state what level it was at, e.g. undergraduate or postgraduate, and what it involved, i.e. marking, teaching, supervising or organising.

6. Relevant Skills and Experience

This section should describe all other skills and experiences that will help strengthen your application.

They should be specific to the PhD project or demonstrate your potential to become a competent researcher. This includes:

  • Technical skills and experience, e.g. the use of computer software packages or research equipment common to the project you’re applying for.
  • Non-project specific courses you’ve sat, e.g. an academic writing and communication course.
  • Languages you know with their proficiencies noted.

7. Publications and Conferences

Most students won’t have academic publications, but if you do, list them here. Formal publications can include anything from journal articles, which is most likely to an adaptation of your final year dissertation project if you do have one, and published reports. If you have these, list them in reverse chronological order using the reference system adopted by the university you are applying to, as this is what the PhD supervisor will most likely be used to.

If you aren’t a published author or co-author, you can still include other text publications that you may have been involved in, such as online articles, magazines, newsletters and blogs. The topics of these publications should relate to your field or academia in general and be written in a formal tone that showcases your critical thinking and writing skills.

If you’ve ever given a conference presentation, include it here with details of the name, date and location of the conference, the title of your presentation and a summary of what it was about.

Even if you haven’t presented in conferences, you should still list any you have attended, including any seminars or talks. This is a useful way to illustrate your interest in the subject and your commitment to gaining new knowledge within your field.

TIP:  If you haven’t attended many conferences or seminars, consider attending several upcoming ones relevant to the research area you’re interested in. Not only is this a great way to learn more about the field in terms of its latest developments and gaps, but it can also be an effective way to make your academic CV more relevant if it’s currently light on research experience.

8. Professional Memberships

Being affiliated with an academic group, society or professional body demonstrates your enthusiasm for your field and for connecting with other like-minded individuals within the community.

When listing these, include the name of the group, the associated membership dates and the position you have held within it.

9. Referees / References

Your references will form the last section of your academic CV.

Your PhD application should specify the number of referees you should include, but if it does not, try to include at least two, but ideally three.

Two of the referees should be academic, with most students choosing their personal tutor and their final year’s dissertation project supervisor. It can be other staff members, but the essential requirement is that it is someone who knows you well enough to be able to substantiate your abilities and character.

If you don’t have two academic referees, you can use a professional referee as long as they are still relevant to the project you are applying for. This will most likely be the case for those who have worked in industry for some time before deciding to return to education.

When creating your reference list, list your referees in order of relevance and how well they know you, not in alphabetical order. This is so if only the first referee is called upon, it will be the individual who can provide you the most useful reference. The following information should be provided:

  • Professional title,
  • Name of current university,
  • Phone number and email address.

It’s imperative that you first seek permission from the individuals before listing them as a referee. It would also be beneficial to send them a copy of your CV, cover letter and application form so they can familiarise themselves with the broader details in case they are called upon.

No matter how impressive your academic achievements are or how much experience you have accumulated in your field, the PhD supervisor may never find out if your CV is too difficult to read. With this in mind, here are a few tips for achieving a high degree of clarity:

Formatting for Clarity

  • Highlight key information through the use of bolding, italics and underlining, but be careful not to overdo it so that it loses its purpose.
  • Keep your formatting consistent throughout, such as indentations, font type and font size, vertical spacing and margins.
  • Insert page numbers on each page.
  • Avoid jargon and abbreviations to maximise clarity.
  • Avoid splitting sections across two pages.

Keep It Concise

  • Try to limit your CV to two pages and not more than four. If you need to go over two pages, make sure the most important information is on the first two pages.
  • Avoid dense paragraphs, overly long sentences and generic statements. The aim is to pass on essential information in a way that doesn’t require the reader to have to extract it themselves. This leads to the next tip,
  • Use bullet points whenever possible, they’re easier to digest than paragraphs.

NOTE:  Remember that you will also submit a cover letter or personal statement alongside your CV, so don’t feel the need to cover everything to a high level of detail here as you will have the opportunity to do so elsewhere.

Check and Revise

  • As a rule of thumb, the academic CV you submit as part of your PhD application should be the third or fourth version you produce. Try to keep a day or two between each version so that you always approach it with a fresh perspective.
  • Proofread for any spelling and grammar mistakes. Although this will seem like we’re stating the obvious, a small mistake can be enough to jeopardise your chances considering that there will be many other high-profile candidates for the supervisor to choose from.
  • Have your document checked, first by an academic such as your tutor, and second by a professional proofreader or by an advisor from your university’s careers team. The former will check for technical issues, the latter for common curriculum vitae formatting, spelling and grammar mistakes.

If the submission method allows for it, convert your CV to PDF format. This significantly reduces the likelihood of compatibility and reformatting issues when opened by the supervisor.

What should I include in my CV?

Highlight transferable skills which will be useful for the PhD and give examples of how you have developed them. Also, highlight membership of any relevant societies or professional bodies.

Publications

If you have had any work published at this stage, make sure you include it. You will not be expected to have published work at this stage, so exclude this section if you haven’t.

Conferences

You can include attendance at relevant conferences, particularly if you have presented. If this does not apply to you, exclude this section.

Provide a brief summary of your relevant extra-curricular interests. Use this section if your hobbies demonstrate an interest in your subject and/or research, or if your hobbies help you to demonstrate skills you will need to undertake a PhD (e.g. creativity, self-motivation) that you can’t show through your education or work experience.

References 

You will normally need at least two academic referees. Ensure you ask their permission before you include their contact details.

As a PhD student, I believed that there was only one job option for PhDs.

I thought the only future available to PhDs was to stay in academia and become a professor.

I saw some PhDs getting jobs outside of academia, but these non-academic jobs appeared to need further study or were seen as a step down from an academic position.

After already completing 10 years of university study, I certainly did not want to go back to school.

Nor did I want to take a step down — in either perception or reality.

I saw how my senior colleagues and supervisors judged the PhDs who pursued non-academic jobs.

They saw those who left academia as failures.

So, I focused on finishing my PhD and securing a postdoc position.

The postdoc track seemed pretty straight-forward — “publish or perish”.

I wrote and published papers and presented at international conferences.

I was on an upward trajectory, doing everything right… or so I thought.

Unfortunately, what I discovered is that to succeed in academia, it takes more than publications and conference presentations.

You need to get grants — big ones — and that wasn’t happening for me.

I felt stuck in my current academic position.

I was not getting the support and professional development I needed to move forward.

On top of that, I learned how few academic positions actually exist in academia.

I started to feel like all my study and hard work was going to waste.

But I was wrong.

I made the decision to leave academia and discovered that there are many different career options for PhDs .

I learned that My PhD was highly valuable outside of academia.

But, when I started to polish my resume and apply for industry positions, I quickly realized I had no idea where to begin this process.

The last time I had written a resume, I was as an undergraduate student.

I realized that while my PhD had given me industry-desired skills , I had no clue how to actually get an industry job.

I had spent all my time writing papers and going to conferences, never even considering that professional development would be important for my career.

With the help of my alternative career mentor , I was able to invest in the professional development I had missed out on during my time in academia.

Why PhDs Need Professional Development

For many PhDs, it seems as though there is only one career option: to stay in academia.

PhD programs are aimed at training PhDs to become lifetime academics.

PhD programs are NOT designed to help students find work outside of academia because academia relies on the cheap labor of PhD students and postdocs.

According to PayScale , the average academic postdoc salary in the US is only $46,000.

This is extremely low.

Especially when compared to the average industry research scientist salary of $77,000, also reported by PayScale .

Academia does not train PhDs to leave academia because it needs the inexpensive skilled labor to support the current system.

However, a majority of PhDs end up leaving academia.

A report by The Royal Society in the UK shows that only 30% of PhDs will become early career researchers.

The same report found that ultimately less than 1% of PhDs will go on to become professors.

That means, more than 99% of PhDs are not receiving appropriate professional development.

The way universities train PhDs does not encourage development of the transferable skills required to transition into industry positions.

This does not mean that the skills obtained during a PhD are wasted.

Quite the opposite, PhDs have some of the most desired skills for industry positions .

However, PhD training programs encourage PhDs to focus solely on academic professional development.

There is so much more to professional development than publishing and presenting at conferences.

PhDs need training in basic professional skills.

It’s up to you to seek out the professional development you need to successfully transition into an industry position.

7 Professional Skills That PhDs Must Develop

Since the majority of PhDs leave academia for industry positions, development of professional skills is a necessity for almost all PhDs.

Usually, the professional development offered by universities is specifically directed to keeping you exactly where you are… stuck in academia.

This leaves many PhDs unsure on how to move forward and unable to search for and successfully apply for industry positions.

As a PhD, you are an expert researcher.

Take it upon yourself to find out what professional skills you need to develop to ensure that you can successfully transition out of academia.

To get you started on your transition, here is a list of seven professional skills that you must develop in order to successfully enter industry…

1. Explore multiple career options.

First, you need to realize how valuable PhDs are to industry and that there are many alternative career pathways available to you.

Unfortunately, PhDs are led to believe that their only option is to stay in academia.

And, when PhDs do learn about alternative career pathways, other academics may discourage them from leaving academia.

Avoid this negativity and follow your own path.

Connect with your core values and identify the activities you enjoy.

With this self-reflection accomplished, you can research the industry areas and positions that you might like.

Set up informational interviews to determine if a particular company or job might be a good fit for you.

Research various companies online to see what they are working on and their expected profits.

This information can help you determine whether the company is growing.

In industry (which includes nonprofit, for profit, and government organizations), there is a huge variety of positions well-suited for PhDs.

You just have to get out there and find the one that’s right for you.

2. Differentiate between a curriculum vitae and a resume.

In academia, PhDs are taught the importance of having a good CV.

PhDs are not taught how to write a resume.

Often, the words CV and resume are used interchangeably to describe the same thing.

But CVs and resumes are very different .

A CV typically covers all your academic accomplishments and can be several pages long.

A resume, on the other hand, is focused toward the job you are applying for and should only be one or two pages long.

An industry r esume should be results-oriented, and focused on your transferable skills and the value you can bring to a company.

Recruiters and potential employers will not spend a lot of time looking over a resume.

This means that you need to make your point quickly and clearly.

If a recruiter has to read several pages of a CV that includes irrelevant publications, it is unlikely that you will get a call back.

Highlight your transferable skills and show the reader what you have to offer.

When applying to industry positions, you will almost always need to provide a resume, not a CV.

3. Know how to network.

The key to getting industry positions is to network .

Many positions available in industry will never be advertised.

Without building up a large network that includes many people who work in industry, you will never hear about these positions.

It can be difficult to network, especially if you are an introvert .

However, networking is critical to your success.

Networking takes effort and time.

It is more than simply exchanging business cards at a conference.

You need to follow-up with new connections and build relationships by providing value.

Stop going to PhD-only networking events and explore industry events related to your goals.

Treat every social activity as a networking opportunity.

Continue expanding your network and always remember the #1 way to network : add value first, and regularly.

Networking will get easier over time, and it will be key to your successful transition into industry.

4. Use LinkedIn effectively.

LinkedIn began as a way for professionals to network.

While LinkedIn is still an excellent networking tool, its focus has expanded.

LinkedIn has evolved into a job searching tool where prospective job candidates can easily connect with hiring managers and recruiters.

Unfortunately, many PhDs do not understand the importance of LinkedIn.

When used properly, LinkedIn can be an essential tool for PhDs to get an industry position.

But if you use LinkedIn improperly, it can make you look unprofessional and inexperienced.

Your LinkedIn profile is your first impression to the professional community, so it needs to be top notch.

Have a professional headline so you can stand out from other candidates.

Have a good, professional profile picture to demonstrate industry credibility.

PhDs can also optimize their LinkedIn profile with keywords so that hiring managers and recruiters can find them easily.

Once you have gained the attention of hiring managers and recruiters, start building relationships with them that will ultimately lead to an industry position.

5. Learn how to write a cover letter.

Do not underestimate the importance of your cover letter .

This document is not just a formality.

It is one of the first things a recruiter or hiring manager will see from you and it is the place where you can be conversational and show them who you are professionally.

However, there are two big “don’ts” with cover letters.

First, do not address your cover letter, ‘To whom it may concern’ or another non-personalized greeting — ever.

Failing to address your cover letter to the right person is a surefire way to stop someone from reading it.

Second, do not simply rehash your resume in your cover letter.

Instead, use the cover letter as a place to show why you will fit into their company culture and highlight your transferable skills that demonstrate why you are the best candidate.

Use the words and phrases listed in the job description to highlight why you are the right person for the job.

Spend time on your cover letter to customize it for each position specifically.

This investment will go a long way in opening industry doors for you.

6. Build transferable skills outside of academia.

PhDs have more transferable skills than they are often led to believe.

Earning a PhD teaches you far more than the technical skills of your particular discipline.

You learn project management, problem solving, teamwork… and the list goes on.

Not only do you need to know the skills you already have and how to highlight them, you also need to know the skills you lack and how to acquire them.

A great way to boost your transferable skills is to volunteer within your local community or get involved in local organizations.

Volunteering with community groups can help develop your networking and interpersonal skills.

If you need to increase your writing or public speaking skills, offer to write or present for a local science organization.

Volunteering doesn’t just help you develop additional skills, it shows prospective employers that you are motivated and community-minded.

7. Join professional associations or societies.

Most industries have at least one association or society dedicated to the area.

Joining these professional groups can widen your networking opportunities.

Some of these groups may also offer professional development workshops or seminars.

These associations and societies are a great way to connect with experienced industry professionals in an environment where they are willing to help you.

Set up informational interviews with other members so you can learn more about their jobs and industry.

Remember to look outside your field as well as within it.

Once you join a group, become an active member.

This doesn’t simply mean paying fees.

It means actively participating in meetings or signing up for committees.

This is a way to add value to the group, enhance your leadership and teamwork skills, and increase your chance of getting a job or job referral .

For PhDs to successfully transition into academia, they need to develop professionally relevant skills. Unfortunately, many PhD programs are geared towards creating academics, even though a majority of PhDs ultimately leave academia. However, as a PhD there are many ways you can develop your professional skills, including networking and utilizing LinkedIn effectively. PhDs can also join professional associations to seek out the professional development and mentorship that universities are lacking. By focusing on these areas, you’ll be able to increase your opportunities and position yourself for industry jobs as a well-rounded, industry-ready professional.

Immersive Program Arms DOD, Builds Acquisition Professionals' Innovation Skills

The Defense Department is looking for the next cohort of acquisition professionals seeking to expand their careers with the tools and insights needed to harness commercial technology innovation.  

Applications for the fiscal year 2025 Immersive Commercial Acquisition Program — a 12-month immersive fellowship offered in collaboration between the Defense Innovation Unit and Defense Acquisition University — are open through early August.  

The two organizations launched ICAP in 2022 after recognizing the need to keep pace with commercial product cycles and adopt best practices for commercial procurement within DOD.   

The program combines virtual classroom training and experiential learning covering other transaction, or OT, authorities through DAU's Defense Acquisition Credentials program.

Those authorities provide federal contracting officers with the flexibility needed to leverage cutting edge commercial technologies offered by nontraditional defense contractors.   

Participants also gain experience on leveraging DIU's Commercial Solutions Opening, or CSO, process and receive first-hand knowledge of the commercial sector.   

"To meet the strategic imperative we face as a nation, the DoD needs innovation-fluent contracting officers and dual-fluency talent across the workforce," said DIU Director Doug Beck. "The experience and skills these fellows are learning is essential to complementing the DoD's more traditional defense acquisition pathways with disruptive tech-sector innovation with the focus, speed and scale required." 

Cohorts work alongside a DIU contracting officer and project team and commercial solutions providers on a variety of projects.   

The program was designed around four key goals: 

  • Educate and provide top DOD contracting officers with experience on how to effectively acquire innovative commercial technologies from nontraditional defense contractors.
  • Provide experience and insight into how the commercial market operates and what drives an organization to do business with the government and DOD.  
  • Empower change agents and arm contracting officers with the relevant tools and knowledge to craft acquisition, contracting and negotiation strategies that can effectively incorporate commercial technology and nontraditional vendors into DOD's acquisition ecosystem.  
  • Furnish organizations with trained contracting officers who can also train others to be fluent in the innovation ecosystem and network with their counterparts in other service components.  

"Each year the ICAP program continues to set a high bar for future cohorts and achieves — and exceeds — our goal to provide innovation-fluent contracting officers," said DIU's Acquisition Director Cherissa Tamayori.   

"We are excited to continue to provide the environment to learn firsthand how to leverage the OT authority, how to acquire novel commercial technologies — and to have ICAP fellows be change agents in the use of flexible acquisition methods within their organizations," she said.

DIU and DAU recognized the first cohort to complete the program last October. The current cohort of acquisition professionals is expected to complete their capstone projects in the coming months.  

As this year's ICAP reached the halfway point, participants emphasized the value of the program in enhancing their careers as acquisitions professionals and further propelling innovation within DOD.   

"As an ICAP fellow, my eyes have been opened to an entirely new way of doing business that I had no idea was even authorized," said Brittany Harris, a senior procurement analyst for the Air Force Installation Contracting Center, in an interview for Defense Acquisition Magazine.     

"Alternative authorities and CSOs are the way of the future in federal acquisition," she said.  

Tianna Seaman, a contracting officer at the Naval Information Warfare Center, said participating in ICAP has provided exposure to the strategic objectives of both the department and the commercial sector and underscored the importance of keeping end results in mind throughout the acquisition process.  

"DIU and their defense mission partners are breaching innovation in a manner never seen before in the DOD," Seaman said. "For companies, the goal is not just obtaining the prototype agreement; rather, it is putting their best and brightest teams on the projects at the best competitive prices to win the prototype, successfully completing the prototype, and noncompetitively entering into another agreement for full-scale production."  

"The end state for both the companies and DOD is obtaining those production agreements to scale the technologies and provide the innovative solutions to the warfighter," she said.  

Program administrators will competitively select up to six contracting officers for the next iteration of the program set to begin in October 2024.   

The opportunity is open to DOD civilians and military professionals.

Lindner launches AI in Business graduate certificate

The Carl H. Lindner College of Business at the University of Cincinnati has announced the addition of an Artificial Intelligence (AI) in Business graduate certificate, which focuses on empowering students with the means to leverage AI platforms for developing solutions to business problems.

Lindner graduate certificates allow students to gain specialized business knowledge to boost their career options. AI in Business can be completed in two to three semesters (nine to 12 months) of study and can be taken as a standalone certificate while also easily paired with the  Lindner MBA ,  Master of Science in Business Analytics  or the  Master of Science in Information Systems  programs.

AI in Business, which can be fulfilled via in-person and online modalities, is accepting applications for the fall 2024 and spring 2025 semesters. While no previous experience with AI tools is required, a basic background in Python programming and information systems is helpful.

“AI is becoming a big part of business, and a lot of people want to upskill on AI quickly and learn how to apply AI to business,” said Sachin Modi , PhD, professor and head of Lindner’s department of operations, business analytics, and information systems . “The intent of the certificate is to equip students with the correct tools and techniques to achieve this.”

AI in Business provides students with flexibility; hands-on experiential learning opportunities with the latest AI tools; access to expert faculty who are working on and researching AI’s latest business applications; and a connection to Lindner's 50,000-strong alumni network, who can aid certificate recipients in landing job placements in a rapidly growing talent field.

The curriculum features four required two-credit-hour courses, plus four elective credit hours (from seven elective course options) that must be completed. AI in Business syncs up with job opportunities across business fields , from data scientists, business analysts, financial advisers and investment managers, to marketing managers, information systems managers, and operations and supply chain managers.

“The core courses take you from relatively little to no knowledge of AI to having a good understanding of how to design and deploy AI solutions,” Modi said. “The elective courses put you on two possible tracks — a more managerial path or a more developmental path.” 

The graduate certificate application deadline for fall 2024 semester enrollment is July 31. For the spring 2025 semester, the priority deadline is Oct. 15, with the final deadline on Dec. 1.

The top 3 skills needed to do a phd are skills employers want too.

We analysed the selection criteria for PhD candidates on a platform that advertises PhD programs. Our analysis of thousands of these ads revealed exactly what types of skills different countries and disciplines require.

Why do a PhD in the first place?

People pursue a PhD for many reasons. They might want to stand out from the crowd in the job market, learn how to do research, gain a deeper expertise in an area of interest, or pursue an academic career.

Sadly, too many PhD students never finish. The PhD turns out to be too hard, not well supported, mentally taxing, financially draining, etc. Dropping the PhD often means significant financial loss for institutions and individuals, not to mention the psychological costs of other consequences such as low self-esteem, anxiety and loneliness .

Our society and economy can only benefit from a better-educated workforce, so it is in the national interest to manage PhD intakes and be clear about expectations. The expansion of doctoral education led to a more competitive selection process, but the criteria are opaque.

To clarify PhD expectations, we turned to a European research job platform supported by EURAXESS (a pan-European initiative by the European Commission) where PhD programs are advertised as jobs. Required skills are listed in the selection criteria. We analysed 13,562 PhD ads for the types of skills different countries and disciplines require.

We made three specific findings.

1. Top 3 skills needed for a PhD

It turns out that it takes many so-called transferable skills to do a PhD. These are skills that can be translated and applied to any professional context. The top three required skills are:

  • communication – academic writing, presentation skills, speaking to policy and non-expert audiences
  • research – disciplinary expertise, data analysis, project management
  • interpersonal – leadership, networking, teamwork, conflict resolution.

Trending skill categories are digital (information processing and visualisation) and cognitive (abstract, critical and creative thinking and problem-solving).

Previous research shows transferable skills are requested for post-PhD careers, including both academic and non-academic jobs. Our research shows such skills are already required to do a PhD. Those keen to do a PhD are well advised to provide strong evidence of such skills when applying.

2. Skill demands vary by country and discipline

Skill demands significantly differ by country and discipline. For example, 62% of medical science ads mention interpersonal skills. This is twice as often as in biological science ads. Digital and cognitive skills score much higher in the Netherlands than in other countries.

Our research article reports on 2016-2019 data and the top five represented countries (Netherlands, Germany, France, Spain and the UK) and the top five represented disciplines (biological sciences, physics, chemistry, engineering and medical sciences). 3. PhD expectations are rising

We see a rise in PhD expectations over time (2016-2019) as more skills are listed year on year. The publish or perish culture prevails and rising demands on academics have led to calls for more engaged research, collaborations with industry, and research commercialisation .

PhD students get accustomed early to competitiveness and high expectations.

Research-based learning needs to start early

These insights have implications for pre-PhD education and pathways. Undergraduate and postgraduate degrees can further promote PhD readiness by embedding authentic hands-on research with academic or corporate partners, either as part of the curriculum or as extracurricular activities.

Many postgraduate degrees offer authentic research project work opportunities but are shorter. Those entering the PhD without a postgraduate degree miss out on developing essential research skills.

Authentic research experiences need to happen early on in higher education. Organisations like the Council on Undergraduate Research ( CUR ), the Australasian Council for Undergraduate Research ( ACUR ) and the British Conference of Undergraduate Research ( BCUR ) are designed to support institutions and individuals to do this effectively. We know research-based learning develops employability skills such as critical thinking, resilience and independence.

Embed career development in PhD programs

Doctoral training needs to take note, too, if it is to further build on the skill set that PhD applicants bring with them.

The good news is doctoral education has transformed in recent decades. It’s catching up to the call for better-skilled graduates for a range of careers. The training focus has shifted towards generating practice-based and problem-solving knowledge, and engaged research with other sectors.

Some institutions now offer skill and career training. Generally, though, this sort of training is left to the graduates themselves. Many current PhD candidates will attest that the highly regulated and tight PhD schedule leaves little room for voluntary activities to make them more employable.

Most PhD candidates also know more than half of them will not score a long-term academic job. Institutions would serve them better by formally embedding tailored career development opportunities in PhD programs that prepare for academic and non-academic jobs .

What's the role?

As a member of the Post-Graduate Program, you will work under the direction of a credentialed actuary and engage in meaningful work to further our strategic initiatives.
