Writing Guidelines for Job Application Letters

Writing a job application letter is very different from a quick email to a friend or a thank you note to a relative. Hiring managers and potential interviewers have certain expectations when it comes to the letter’s presentation and appearance, from length (no more than a page) to  font size  and style to  letter spacing :

Length:  A letter of application should be no more than one page long.

Format and Page Margins:  A letter of application should be single-spaced with a space between each paragraph. Use about 1″ margins and align your text to the left, which is the standard alignment for most documents.

Font:  Use a traditional font such as Times New Roman, Arial, or Calibri. The font size should be between 10 and 12 points.

What to Include in Each Section of the Letter

There are also set rules for the sections included in the letter, from salutation to sign-off, and how the letter is organized. Here’s a quick lowdown on the main sections included in a job application letter:

Heading:  A letter of application should begin with both you and the employer’s contact information (name, address, phone number, email) followed by the date.

If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature. Here’s how to send an  email application letter .

Salutation: This is your polite greeting. The most common salutation is “Dear Mr./Ms.” followed by the person’s last name. Find out more about appropriate cover letter salutations , including what to do if you don’t know the person’s name, or are unsure of a contact’s gender.

Body of the letter: Think of this section as being three distinct parts.

  • In the first paragraph , you’ll want to mention the job you are applying for and where you saw the job listing.
  • The next paragraph(s) are the most important part of your letter. Remember how you gathered all that information about what employers were seeking, and how you could meet their needs? This is where you’ll share those relevant details on your experience and accomplishments.
  • The third and last part of the body of the letter will be your thank you to the employer; you can also offer follow-up information.

Complimentary Close:  Sign off your email with a polite close, such as “Best” or “Sincerely,” followed by your name.

Signature:  End with your signature, handwritten, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.

Simple Formatting Using a Template

Overwhelmed by all these formatting and organization requirements? One way to make the process of writing a job application easier is to use a job application letter template to create your own personalized job application letters for applying for a job. Having a template can help save you time if you are sending a lot of application letters. Do be sure that each letter you send is personalized to the company and position.

Tips for Writing an Effective Letter

  • Always write one . Unless a job posting specifically says not to send a letter of application or cover letter, you should always send one. Even if the company does not request a letter of application, it never hurts to include one. If they do ask you to send a letter, make sure to follow the directions exactly (for example, they might ask you to send the letter as an email attachment, or type it directly into their online application system). Following application directions is the first step to getting selected for an interview.
  • Use business letter format.  Use an official business letter format when writing your letter. Include your contact information at the top, the date, and the employer’s contact information. Be sure to provide a salutation at the beginning, and your signature at the end.
  • Sell yourself . Throughout the letter, focus on how you would benefit the company. Provide specific examples of times when you demonstrated skills or abilities that would be useful for the job, especially those listed in the job posting or description. If possible, include examples of times when you added value to a company. Numerical values offer concrete evidence of your skills and accomplishments.
  • Use keywords.  Reread the job listing, circling any keywords (such as skills or abilities that are emphasized in the listing). Try to include some of those words in your cover letter. This will help the employer see that you are a strong fit for the job.
  • Keep it brief.  Keep your letter under a page long, with no more than about four paragraphs. An employer is more likely to read a concise letter.
  • Edit, edit, edit.  Employers are likely to overlook an application with a lot of errors. Therefore, read through your cover letter, and if possible ask a friend or career counselor to review the letter.  Proofread  for any grammar or spelling errors.

  • How To Write A CV In Ghana For Job Employment

In this article, we are going to discuss how to write a CV in Ghana to get a job. Usually you don't get called to come in for a job interview not only because you are not the right fit for the  job or your luck ran out. But most at times it is just because the right material wasn't presented to the hiring manager or recruiter. You saw a job post and submitted a CV containing less vital information that could make you stand out. This is really common amongst job seekers who fail to prepare  but don't worry.

What is a CV?

For those who don't know what a CV is. CV stands For Curriculum Vitae .

Curriculum Vitae is an outline of a person's educational and professional history, usually prepared for job applications. Another name for CV is a Resume. A CV is the most flexible and convenient way to make applications. It conveys your personal details in the way that presents you in the best possible light. A CV is a marketing document in which you are marketing something: yourself! You need to "sell" your skills, abilities, qualifications and experience to employers. It can be used to make multiple applications to employers in a specific career area. For this reason, many large graduate recruiters will not accept CVs and instead use their own application form.

What are the relevant informations a CV should include?

  • A good heading

The heading here will be your personal details which should include your name, email address or residential address, your date of birth , marital status, nationality and finally your contact number. Others may include their gender which is also necessary.

Including a photography isn't essential here. Depending on the country you find yourself in you might have to add your photograph. British CVs don't usually include a photograph unless you are an actor. In European countries such as France, Belgium and Germany it’s common for CVs to include a passport-sized photograph in the top right hand corner whereas in the UK and the USA photographs are frowned upon as this may contravene equal opportunity legislation - a photograph makes it easier to reject a candidate on grounds of ethnicity, sex or age. If you do include a photograph it should be a head and shoulders shot, you should be dressed suitably and smiling: it's not for a passport

You should be able to clearly state your objectives to hiring managers or recruiters. Your objectives here should be clear about your goals. It needs to details about why you're interested in a particular position or what makes you suited to the job. It should tell the hiring manager or recruiter whyat you can offer to the organization rather than stating you want to be a part of its success in growth.

Finally, it should highlight your strengths. It should tell the hiring manager or recruiter why you are the right fit for the job.

  • Hard /Technical Skills

These are the qualifications required to do the job. For example, computer skills, administrative skills, language or customer service skills. Presenting your technical skills on a resume can be a challenge. Find out what hiring managers want to see. When you know what they want to see, list the skills out in bullets.

  • Work Experience

In this section, try to use more action words such as developed,  conducted, trained, supervised and so on after stating the place of work and the work start date and end date. Try to relate the skills to the job opening. A finance job will involve numeracy, analytical and problem solving skills so focus on these whereas for a marketing role you would place a bit more emphasis on persuading and negotiating skills. The letter for employment is what gives the prospective employer the first impression of you because it is always the first document in your job application that the recruiter will read, even before of your CV. That implies that you should get it right to grab the attention of the recruiter for all the good reasons. A letter that does not clearly express why you are the best candidate for the position or one with poor grammar and spelling mistakes, will send your submission to the reject pile. However, a good letter for employment works magic in convincing a recruiter of your abilities and your professionalism, and giving insights into your persona and character.

Not everyone believes that cover letters are important. Some prospective bosses may go straight to reading the resume and skip the letter. However, several of them still value the importance of a well-written introduction. Therefore, even though there is no guarantee that it will be read each time, it is wise to enclose one anyway. It has become equally common for cover letters to be sent in email form, these aren’t likely to be as formal as they were before the age of digitization. However, there are still a few essentials to include and that is why it is critical to know how to write a cover letter for job application.

How to Write A Great Cover Letter

How to Write A Great Cover Letter

How do you write a great cover?

You know including a cover letter in your job application is not overrated therefore it is important for you to know how to write one.

Writing a good resume for the job you are searching for seems to be an enormous job, getting the right words that would catch the employer’s attention and make them accept you as the best candidate for the job is always the goal but a good resume can get a bad review if the cover letter is written poorly with little or no skill put into it.

The competition out there is thick; you must write putting that in mind because this is what gives you the cutting edge.

A cover letter may be short but it is the first thing the employer sees. How you present yourself in the cover letter is how you will be addressed and taken seriously. You may have great skills but you have to know how to communicate that to the recruiter.

You want to make sure that every cover letter you write for each job at least lands you an interview ; as this is the first step of having any of getting the job. This article will help you craft a fantastic cover letter.

What is a cover letter?

A cover letter is a one-page document submitted with a job application, a resume or Curriculum Vitae (CV). This is the most important part of your job application where you can tell much more about yourself, what you have done and details you couldn’t mention in your resume.

What makes an effective cover letter?

What makes an effective cover letter is the extra effort you put into it that separates yours from the one that was casually written.  The interviewers look out for those things and they can tell those who did the mindless lifting of their letter from those who took time to creatively craft their own cover letter. You might want to highlight and promote your career achievements; your strong team spirit and how well you can perform and be an asset to the company you are applying to.

Another interesting aspect to be covered is that you make a research of the company or industry you are applying to, understand what they do, the position you are applying for and the job description, know the terminologies they use and intentionally use those words in your cover letter.

It will also be great to know the problem you would be solving if you are given the job, as must as you talk about your effectiveness, remember your humanity and don’t overblow things by sounding too mechanical or so one directional, even if you are following a template gotten on the internet, you must be able to blend in your uniqueness as an individual.

A number of things make a cover letter effective and I will be highlighting them for you to take note of.

1. Never forget why you are writing the letter: It is important for you to remember the reason you are writing that letter which is to get the reader to call you for an interview, everything in the cover letter should point to that single purpose; if not, it is simply a total waste of time.

2. Do not copy and paste directly from your resume: The essence of a cover letter is to have something more spectacular and not just a repetition or a duplicate of the resume attached. You can tell a story that will draw them in while keeping tabs on the main points.

3. Know your employers: Do not address your letter with “To Whom It May Concern”. Go an extra mile to know the name of the person you are writing to and address them properly with the appropriate title. It makes your letter feels less generic and more personal or if you like, specific.

4. Start by enumerating the problems you intend to solve: This will show them you understand what you are coming for. You do this by highlighting the right experiences by listing the most important requirements and how you can perform the task

5. Focus more on what you are offering: A good cover letter sells you and what you are about to bring to the table. The focus is on how to get the recruiter to see how you can fit into their organization, so focus on that instead. Avoid the use of too many sentences that starts with “I”. Rewrite or restructure your sentences so it doesn’t seem like it is all about it when it should be about what the company will get from you.

6. Do not sound too complex: It is important to make your letter easy to read and understand, use a legible font size and construct simple sentences. You don’t need to impress anybody by using vocabulary that is not part of everyday use. That doesn’t mean you should use street lingo; construct grammatically sound sentences but keep it simple. Do not forget to break down your sentences into paragraphs for easy comprehension and assimilation.

7. Be as brief as possible: Make your cover letter from 300-500 words; anything lengthy will be ignored. Knowing you have little space to present who you are, you might want to be smart by using the right words.

8. Don’t be sorry about your missing qualifications: It is likely that you do not meet all the requirements listed; don’t start using negative words like “Due to my limited experiences…” or any other thing to show what your limitations, focus on and illuminate your strong points instead. It is not enough to simply highlight your educational requirements alone; skills are as important as a degree – if not more important. The recruiter is looking out for your job experiences that show you will know what to do about the job role, so highlight those points.

Cover letter templates

One of the issues job seekers have is that they cannot write from scratch, they may have enough information and just would not know where to start. Today, there are many free templates on how to construct your own cover letter, downloading one of them and using that as a format to writing yours is not a bad idea, this will at least be better than you writing by yourself especially if you can’t make sense of it alone. You must, however, note that many cover letter templates you find online are written with different jobs in mind, so before you decide on just choosing anyone, make sure you have a number of options that suits the kind of job you are applying for. This will help you a great deal. If you still can’t get it done by yourself, you can seek professional advice, the idea is to get a cover letter that would at least get you to see the interviewers, they might have called you back out of curiosity to see if what you wrote and who you are correlates, so do your homework so you don’t embarrass yourself at the end of the day.

There are different templates for different categories of people, there is a cover letter for students, for interns, for those seeking a job without experience, there is for those with experience. There are also templates on how to write a cover letter for a job that has not been listed as a vacancy, some companies may not place ads but they are hiring and even if they are not, they can consider ones there is an opening. It is now your job to follow up and check if there is anything for you.

The other two aside the paragraph cover letter are:

The Specific needs cover letter which can be started and finished with opening and closing paragraphs but the difference is the middle, how it is constructed. Rather than writing in paragraphs, you go straight to what the one hiring asked for and how you can beat that record. It is mostly in a two column format.

The Grocery list cover letter: This is the aggregate of the first two. That is it is both a paragraph and specific needs cover letter. You start and finish with paragraphs but the middle is not in columns, you list out the requirements like your experience, attention to detail, ability to remain within the specified budget. You highlight each point and give the corresponding answers for example

Experience: for over seven years I have worked as a manager and event coordinator overseeing the planning, organizing and coordinating of all events in the company.

You can then go on and on listing the other points.

Here is a template you can follow to begin your letter

White City, BC 54521

Dear Mr. Stephen,

I’m writing to apply for the position of Social Media Manager for Fit Living, as advertised on your website careers page. I have three years of experience as a Social Media Assistant for Young Living, and I believe I am ready to move up to the manager position.

In your job posting, you mentioned that you want to hire a Social Media Manager who understands the Internet and social media trends. During my time at Young Living, I was given the responsibility of increasing follower numbers on Instagram. I explained to my manager that I would be happy to do so and that I would also work hard to increase follower participation because engagement has become an important metric.

Within six months, I increased our followers by over 50 per cent and increased engagement by 400 per cent. I’m very proud of that accomplishment. Currently, I’m working to build a following with the best influencers in our niche.

When I saw the job opening, I knew it was the perfect opportunity to offer you both my social media marketing skills and people skills. I’ve included my resume so you can learn more about my educational background and all of my work experience. Thank you for your time and consideration.

Please feel free to email me or call my cell phone at 555-777-5555. I hope to hear from you soon.

Now let us consider what makes up a good cover letter, from the beginning to the end of it, we will take it bit by bit for more accuracy and comprehension.

Contact Information: Basic cover letter for job information includes your details, such as your name and email address (if you do not want to include a postal address). About email addresses, ensure you have a professional email address that has your name and surname not something unprofessional like [email protected] . No normal employer would take you seriously, that will be one of the things they would notice, so take time to open another one if your current email doesn’t suit what a corporate setting will be comfortable with.

Also, you should know the contact address of your employer so they know you are serious, the name is very important and every other detail, state and city of the target company.

Usually, there are three types of cover letter format, though one is widely used. They are the paragraph cover letter which is used by many who do not have enough job experiences. This style also allows you to engage the reader by stylishly telling a story using three or four paragraphs.

Salutation: Address your cover letter like a professional. Do not write “To whom it may concern.” That would show that you have not done your homework well. Do not also write “Dear Sir” or “Dear Madam” or “Dear hiring manager”. It is better you don’t put any of the above if you don’t know the name of the person you are writing to.

The Introductory Paragraph: Your cover letter introduction should grab the reader’s attention (in a good way). Show to them that you understand the job description and describe the problem your position of hired will solve. Most people make the mistake of starting on the note of self-appraisal; remember it is not about you so you need to be careful in the way you present that first paragraph.

The Second Paragraph: A good cover letter has body paragraphs that showcase your abilities and how you fit into the company’s future. Try to connect your background to the job, enumerate nothing more than three examples showing how your background connects to the job you are applying for, don’t be monotonous and don’t just form an experience you do not have, you can tell of the skills or experiences you have that relates to the industry you are applying to. This would give you a cutting edge.

The Third Paragraph: This is the part where you get to be more specific, enumerate your top 3-5 achievements listed on your resume, summarize or rewrite to suit the job you are applying for. Do not copy and paste, you can list them using the bullet format, for more clarity and organization.

Call-to-Action: The best cover letter lets the hiring manager know when you’re available to interview and that you will follow up if necessary. You should let them know you look forward to being called back for an interview, that is actually the plan or the bottom line of it all.

The Sign-off: A cover letter closing should consist of “Sincerely,” “Regards,” or “Best Regards,” + your name. Before you say goodbye, you have to remember that this is the last opportunity for you to leave a lasting impression. Don’t just settle for the “I look forward to hearing from you.” ending. You can use this last paragraph to show what you are willing to sacrifice for the growth of the industry like saying you can relocate for the sake of the company.

Edit your work

After you must have written the letter, make sure you proofread a number of times, you can even give it to someone else, A professional to look into it, spell all names and addresses correctly, you don’t want to be misleading in all these little things. Use your computer’s spelling and grammar to check for unlikely errors you might have missed out. Be as thorough as possible.

You cannot go wrong by following the instructions, we have taken care to cover most points, you should start drafting out that cover letter and go get the job you desire. There are many more templates that you can download online to give you several options on how to go about it.

10 Ways To Make Your Cover Letter Attractive to Recruiters

Writing the perfect cover letter can be quite challenging. Here are some writing tips on how to make your cover letter attractive to recruiters.

how to write a cover letter

As a job seeker, it can be exhausting sending out dozens of applications every week. Not only should your resume showcase your achievements, but your cover letter should help you persuade the company to hire you.

However, writing the perfect cover letter can be quite challenging too. Hence, here are some writing tips on how to make your cover letter attractive.

Table of Contents

1. Prepare Well Before Writing

how to write a cover letter

First and foremost, you need to prepare well before you actually start writing the cover letter. If you are unprepared and haven’t done your research, you will quickly start making mistakes that could have been easily avoided.

Read about the company you are applying to and try to understand what their branding is like. Moreover, find out to whom you need to address your cover letter. Even if it is just an application form on a job board, it’s a good idea to visit the company’s website or LinkedIn profile to check who is their HR manager.

2. Make First Impressions Count

Remember that your cover letter is often the first impression a person gets of you. In many cases, your cover letter will be viewed together with your resume, so the two need to work in a way that will complement each other.

In addition to that, you should think carefully about your cover letter’s opening line. Making this line memorable will help you stand out from the crowd and be remembered even after the HR manager has viewed hundreds of other applications.

3. Show Your Enthusiasm

application letter for employment

While you need to be professional throughout your entire cover letter , it doesn’t mean that you shouldn’t show your human side. In fact, showing some emotions can be quite useful. Don’t be afraid to show your enthusiasm for the role and for working at the company you are applying to.

Likewise, make sure that you sound confident in your cover letter. Instead of saying “believe”, “feel”, “hope”, state your opinions boldly, especially when you are explaining why you are the right person for the job.

4. Stay Consistent and On Topic

Consistency is an often-overlooked aspect of writing cover letters. Being consistent with your claims as well as with your writing style (e.g. capitalization) is essential to making your cover letter look professional.

In addition to that, you should never stray too far from the main subject of your letter. Everything you write here needs to relate to the job description. This will help you meet company expectations while also showing that you aren’t simply sending out the same cover letter to every job listing you find.

5. Focus on The Company

Writing a cover letter for employment

Speaking of your cover letter relating to the job description, it’s always important to focus on the company first and foremost. From the tone you use to the references you make to certain pieces of information, it should all come back to the company above all else.

For instance, if you are telling an anecdote, make sure that it matches the tone of the company and that it isn’t too long. Otherwise, it could make your email too long which would, in turn, show that you are inconsiderate about your recipient’s time.

6. Support Your Arguments

Though showing your enthusiasm for the role is great, it won’t be enough to win you the spot. This is precisely why you need to support your arguments and claims about yourself. Use numbers and measurable achievements to prove that you are the expert you claim to be while also describing a pain point the company has that you could solve.

If you are still unsure about your writing abilities, you can always hire a professional writer to help you craft the perfect cover letter. To find the right writer for you, consult the reviews of services doing custom writing assignments.

7. Avoid Using Jargons and Cliches

As mentioned earlier, the anecdote you tell needs to be appropriate and should match the tone of the company. Just like humor, jargons and cliches need to be kept to a minimum if not avoided completely.

You can still use technical terms as well as slang, but only where it is appropriate. Meaningless and over-used cliches need to be avoided – they simply show that you aren’t good at writing and can’t actually “think outside of the box.”

8. Don’t Repeat Your Resume

avoid repeating resume for cover letter

Because your resume and cover letter will often be viewed together, there is no need to repeat what you said on your resume by writing about it in your cover letter. After all, your cover letter and your resume serve two different purposes. Your resume includes the barebones facts about you while your cover letter should add some character to your image.

9. Summarize and Request a Follow-Up

At the end of your cover letter, make sure to summarize everything you talked about and then request a follow-up. Showing that you are expecting a response will encourage the HR manager to reach out to you, even if you don’t get the job. Seeing no response is worse than getting a rejection. And if you don’t get a response after some point, go ahead and send follow-up letters of your own to ask about the results of your application.

10. Proofread and Format Correctly

proof read your cover letter

Last but not least, don’t forget to proofread and format your cover letter correctly. Any spelling, grammar, or punctuation mistakes will make you look unprofessional , so it’s definitely worth proofreading your letter. Similarly, spend some time formatting your cover letter correctly. Break it down into paragraphs and make it readable that way.

At the end of the day, there is no definite predictor of being hired. There are just too many factors that can affect your chances of being given a particular role. That being said, you can still work on your cover letter to make it more attractive and to increase these chances. Use the tips in this article to help you improve your cover letter and find the right job with its help.

Search for a job!

Job application advice.

There are 3 important steps needed to develop a wining formula for finding jobs in Ghana.

1. Writing Effective Application Letters ,

2. Developing Dynamic CVs, and

3. Mastering Strong Interview Skills

Normally, when companies have you fill out an application or send a resume, they will want you to also include a job application letter (also known as a cover letter).  The job application letter is one of the most important parts of your application, because it will give your potential employer a glimpse into why the company should hire you.  Here are some tips to help you write an effective job application letter.

Tip #1 :   Research the Company  – Before you even start typing that cover letter, you should research the company to which you are applying.  Why?  You need to be able to gear your letter toward showing the employer how you will fit in and make the company even better.  Your research will show that you understand the company, and you will be able to highlight the right qualifications on your job application letter.

Tip #2:  Type Your Letter  – This should be a given, but many people still do not realize that the job application letter should be typewritten so it is easy to read.  The only handwritten part of the page should be your signature at the bottom.

Tip #3:  Avoid Exaggeration  – When you land an interview, you will be asked to backup the statements you have made in your application letter and your CV. Don’t put yourself in an embarrassing situation where you can’t substantiate a claim.

Tip #4:  Use the Tools on Your Computer  – Before you submit your job application letter, you need to do a spelling and grammar check.  Use the tools in your word processing program to create a job application letter that is error free.  Also, give it a once over without the computer check, as misspelled words are not always caught by your computer.

Tip #5:  Make it Personal  – Your job application letter should be written in the first person, which means you should use the word throughout.  This is different from the resume.

Tip #6:  Keep It To the Point  – Your job application letter should not be more than one page.  It should not be a dissertation of everything you have ever done. The job application letter is to highlight the important knowledge, accomplishments, and other things that will enhance the company.  Also, avoid stories or jokes.  They do not come across as professional, which is the image you want to put forth from your job application letter.

Tip #7: Don’t Play The Sympathy Card  – These include statements like: ( As a young boy I lost my father. My schooling was delayed due to financial difficulties). Such personal and emotional statements should be avoided. No employer is interested in your personal problems. Playing the sympathy card will cost you a job.

Tip #8: Use the Right Format  – Your job application letter should look like a letter, but it should only be three or four paragraphs long.  The first paragraph of your job application letter should contain the position you desire and where you found out about the job.  You should also include why you think the company needs your services.  The second paragraph of your job application letter should highlight your skills and accomplishments.  Only use knowledge and accomplishments that apply to the specific job.  You can do this by using the advertisement for the job and making connections between the qualifications and why you fit that need.  You can divide this section of your job application into two sections if you need to.  Finally, the third paragraph of your job application letter needs to ask for the interview.  Let the hiring manager know how he or she can reach you.  Be confident that the reader wants to interview you, but avoid arrogance.

When you take time to think about your job application letter, you will end up at the top of the list for the job.  A well written job application letter gives you a leg up on the competition and your foot in the door.

Tips for Writing an Employment Letter in Ghana

If you are an employer in Ghana or you have been asked to provide an employment letter, there are some important tips to keep in mind. An employment letter is an official document that confirms the employment relationship between an employer and employee. It should also include the date of employment, position title, and a brief summary of the job duties. The letter should be signed and dated by the employer or an authorized representative.

Be clear and concise

The employment letter should be written in clear and concise language, avoiding any legal jargon or complicated terminology. The letter should also outline the terms of employment, including the duration of the contract, salary, benefits, and any other conditions of employment.

Use professional language

It is important to use professional language when writing an employment letter. Avoid using slang or informal language, and ensure that the letter is free from any grammatical or spelling errors. The letter should be written in a formal tone and should reflect the professional relationship between the employer and employee.

Provide evidence of employment

The employment letter should provide evidence of the employee’s employment, including the date of employment, duration of the contract, and any other relevant information. The letter should be printed on official company letterhead and should include the name and address of the employer. The letter should also be signed and dated by the employer or an authorized representative.

Consult with legal advice

If you are unsure about the content or structure of an employment letter, it is important to seek legal advice. A lawyer can review the letter and ensure that it is valid and enforceable under Ghanaian law.
