Employment certificate, financial documents, and income tax return (ITR) are the staples of most visa applications. But there is one document that is usually overlooked — the cover letter.

A cover letter isn’t always a requirement when applying for a visa. However, it’s something that we often recommend to add to your pile of documents, especially if there is no interview and you have some explaining to do.

You see, sometimes, things don’t always fit the mold perfectly. There are cases wherein you can’t provide the exact document needed, but you have a very good alternative. Or maybe you just can’t provide something at all, but you have a perfectly valid reason. Or perhaps you’re traveling with a group or for a special purpose. These instances could probably benefit from a well-crafted explanation to give the visa officer a clearer picture of your situation.

When I apply for a visa, I usually submit a cover letter regardless of whether or not it’s one of the requirements. I always want to give a summary of my application and clarify some aspects that may be prone to misinterpretation.

WHAT'S COVERED IN THIS GUIDE?

What should be in a cover letter?

For me, a good cover letter must be able to provide the following:

  • A short introduction about yourself.
  • Your travel dates and the purpose of your trip
  • If traveling with a group: your companions and your relationship with them
  • If sponsored: your sponsor’s name, your relationship with them, and the reason why they are willing to sponsor you
  • If you’re missing some requirements: the reason why you won’t be able to provide them and the alternatives you are submitting instead
  • If applying for a double entry or multiple entry visa: the reason why you need to be allowed more than one entry
  • A quick rundown of the destinations you will be visiting
  • A quick summary of your travel history (if any), highlighting that you have NEVER violated visa rules in the past
  • A promise to return to your home country in time

Looks like a lot, huh? But here’s the thing: According to a couple of friends who used to work as visa officers at strict embassies, they usually had very little time to assess each application. Hence, if you’re going to make a cover letter, go straight to the point . One page should be enough. The key is being concise — finding the balance between giving enough information and keeping it short and sweet.

Here are some samples. I intentionally used complicated situations to give you an idea how I usually explain them. If they don’t apply to you, feel free to modify these to match your case. Please use this only as a model for your own cover letter. Please do not copy-paste the whole thing without adjustments.

Hello, I will be applying for a Japan visa and will submit a cover letter din. I have a few questions:

  • If I am traveling with friends pero we will be submitting individual applications, do I need to include that in the cover letter na I am with them on this trip?
  • Do you need to submit all your savings account o kahit isa nalang?
  • Plan ko rin sana (dahil nabasa ko sa ibang posts nyo hehe) na payroll and savings account ipasa, pero kung nililipat ko rin naman yung laman ng payroll sa savings, need ko pa ba isubmit yung payroll account?
  • Sa ibang Japan visa application na napanuod ko, nagsusubmit sila ng bank certificate at bank statement. Do I need to do that?
  • If yes, need ko ba explain sa cover letter ko na tinatransfer ko sa digital bank muna yung pera saka ko tinatransfer sa savings account? (kasi baka makita, if may bank statement, na nanggaling sa ganitong account yung pumasok na pera)

I plan to visit Canada and have started my visa application. I selected visit friend for purpose instead of tourism as I would like to be fully honest with my application. My very purpose is to be with my boyfriend and meet his family and friends. Touring comes as a bonus. Would it be fine to add captions or narrations on the pdf document together with our pictures as proof?   • The host’s citizenship or immigration status
  • The visa applicant’s name and contact information
  • Details regarding the relationship between the host and the visa applicant
  • Name and contact information for the visa applicant’s foreign employer
  • The visa applicant’s expected travel dates
  • Details regarding whether the host will provide accommodations or financial support to the invitee during their visit
  • The purpose of the invitee’s trip and travel plans within the United States
  • Any other details confirming the invitee’s ties to their home country and plans to return

In short, the goal of the invitation letter is to provide details confirming the foreign national’s relationship with the host residing within the U.S., the dates of travel and the purpose of their visit. The letter should also include details about the invitee’s ties to their home country to verify their intent to return at the conclusion of their trip. There are various mandatory requirements to obtain a visa when visiting the United States. However, a letter of invitation from the American host is not one of them. The U.S. citizen or resident who will host the visiting B-2 visa holder may send a letter, but an invitation is not required. The letter cannot guarantee visa issuance, but it may be helpful in some situations. Visitor Visa Requirements

B-2 visa applicants must qualify for the visitor visa according to their own circumstances, not on the basis of a sponsor’s letter or assurances. Based on the merits of the application and interview, a consular officer determines whether or not the applicant qualifies for a visa. Part 2 .   Visa Application Processes

1.  Complete Visa Application Form Online

Please complete China Online Visa Application Form on the China Online Visa Application website ( cova.mfa.gov.cn ). Print out all pages of Visa Application Form of the People's Republic of China and Confirmation of Online Visa Application which generated automatically.

Please Note:

1) Your application will be declined, or you can be refused entry permission to China if you provided inaccurate, false, or misleading information.

2) You need to upload an ID photo of yourself, and it must meet the visa photo requirement. Your application will be declined if you uploaded a photo of someone else.

3) Applicants must sign on the Visa Application Form of the People's Republic of China and Confirmation of Online Visa Application.  

2. Submit application in person  

After completing the online application, applicants need to submit the following documents to the Chinese Embassy in person.

1) Visa Application Form  and Confirmation Form of Online Visa Application.

2) Passport . Original passport with at least six months of remaining validity and blank visa pages, and a photocopy of bio-data page of the passport.

3) Photo . Must be a recent coloured ID photo, facing forward and with white coloured background, and bareheaded.

4)Proof of legal stay or residence status (applicable to non-Samoa passport holders applying for Chinese visa in Samoa).

5)Original and photocopy of previous Chinese passport and photocopy of naturalization certificate   (applicable to applicant who was of Chinese nationality and this is the first time to apply for Chinese visa after naturalization in a foreign country). If the name on the current passport differs from that on the previous one, an official document of name change is required.

6)For children born in Samoa with Samoa Citizenship and Chinese descent applying for Chinese visa for the first time, applicants shall also submit the original and photocopy of birth certificate, the photocopy of parents’ passports and permanent residence permits.

7)Original or photocopy of supporting documents. (Please refer to Part 3)

3. Biometric collection

Applicants are required to have biometric information collected when submitting application at the Embassy.

The following applicants are exempted from collecting fingerprints:

1) Applicants who under the age of 14 or over 70.

2) Diplomatic passport holders, or applicants who are eligible for diplomatic, official and courtesy visas. 

3) Applicants holding the same passport with fingerprints collected within 5 years. (The exemption will only be granted when the biometric sticker visa is still identifiable)

4) Applicants with all ten fingers mutilated or all ten fingerprints unable to collect;

5) Between 10 August and 31 December 2024, eligible applicants applying for single or double-entry visas under the categories of business, tourism, short-term family visit, transit, and crew membership are exempt from the fingerprint collection requirement.

Part 3 . Supporting Documents Based on Visa Category

A letter of guarantee issued by a foreign transport company or an invitation letter issued by a relevant entity in China.

The original and photocopy of the Confirmation Form for Foreigners Permanent Residence Status issued by the Ministry of Public Security of China.

An invitation letter issued by a relevant entity or individual in China. The invitation should contain:

1) Information on the applicant (full name, gender, date of birth, passport number, etc.).

2) Information on the planned visit (the purpose of visit, arrival and departure dates, place(s) to be visited, relations between the applicant and the inviting entity or individual, financial source for expenditures).

3) Information on the inviting entity or individual (name, contact telephone number, address, official stamp, a signature of the legal representative or the inviting individual).

An onward air (train or ship) ticket with confirmed date to the destination country or region.

J1 /J2 -Visa  should refer to the requirements of the competent authority.

Documents showing the itinerary including air ticket booking record (round trip) and proof of a hotel reservation, etc. or an invitation letter issued by a relevant entity or individual in China. For invitation letters issued by individual, photocopies of Chinese ID (front and back) of the inviting person must be included. The invitation letter should contain:

Documents on the commercial activity issued by a trade partner in China, or trade fair invitation or other invitation letters issued by a relevant entity. The invitation letter should contain:

For family reunion, the following documents are required:

(1) An invitation letter issued by a Chinese citizen or a foreign citizen with Chinese permanent residence permit who lives in China. The invitation letter should contain:

1)Information of the applicant (full name, gender, date of birth, passport number, etc.).

2)Information on the visit (the purpose of visit, intended arrival date, place(s) of intended residence, intended duration of residence, relations between the applicant and the inviting individual, financial source for expenditures).

3)Information on the inviting individual (name, contact telephone number, address,  a signature of the inviting individual, etc.).

For foster care, the following documents are required:

(1) Foster entrustment notarisation issued by Chinese Embassies/Consulates General in foreign countries or Foster Care Power of Attorney notarized and authenticated in the country of residence or in China.

(3) A letter of consent on foster care issued by the trustee living in China who has agreed to provide foster care services and a photocopy of the ID of the trustee.

(4) A photocopy of the certificate indicating the permanent residence status abroad of the parent(s) when the child was born, provided that either or both parents of the child are Chinese citizens.

If you require a visa to travel to the Canada, we recommend starting the application process as soon as you know that you will attend NeurIPS, as the wait time for the mandatory in-person visa appointment can be highly variable.

What should I bring to my visa interview?

The IRCC provides guidance on required documentation for a visitor visa interview. Please also check the specific requirements of the embassy or consulate that will conduct your interview.

Beyond required documents, you may be able to provide supplemental supporting documents online and/or in a visa interview, subject to the procedure of the specific embassy or consulate. Supplemental supporting documents should aid in establishing your residence and ties abroad and thus your ability and intent to leave Canada after the visit. Examples of such supporting documents include:

If I receive a visa am I guaranteed to be able to enter Canada to attend NeurIPS?

Unfortunately, it is possible that the immigration officer that processes your entry into Canada (usually, at the airport after landing in Canada) may require you to undergo a secondary interview to make an immigration determination. Please travel prepared for this possibility, and carry on your person the same evidence you presented at your visa appointment, including a printed copy of your NeurIPS invitation letter.

Minister Leon Schreiber extends temporary visa concession

New home affairs minister dr leon schreiber extends temporary visa concession to safeguard applicants from adverse consequences caused by processing delays.

In his first official act as the new Minister of Home Affairs just one day after being sworn in, Dr Leon Schreiber has extended the temporary concession for foreign nationals who are currently awaiting the outcome of visa, waiver and appeal applications.

This extension safeguards applicants – including those who are contributing to South Africa through their scarce skills – from suffering adverse consequences or being erroneously declared undesirable while they await the outcome of applications submitted to the Department.

The processing of some of these applications has been delayed as the Department works on reducing backlogs. While the Department has made progress in this regard since its previous communication on the matter, there is still a backlog in various visa and permit categories and Minister Schreiber has now moved to protect applicants while the backlog is reduced.

The decision to avert adverse consequences for applicants who seek to obtain lawful visas in order to contribute to South Africa, either through their skills or as tourists, signals the Minister’s commitment to improving the visa system to make South Africa a more attractive destination for international investment, tourism and job creation. While it will take time to achieve this vision in full, the decision to extend the temporary concession serves as a signal of intent to reinvigorate the Department of Home Affairs and position it as a vital economic enabler.

In order to build confidence in this new approach, Minister Schreiber further commits to avoiding a repeat of the current situation that has seen the previous concession expire prior to the extension being announced. While the Department is committed to eradicating the backlog as soon as possible, the Minister undertakes that any further extension, modification or amendment to the terms of these concessions will be communicated in writing prior to the new expiry date of 31 December 2024.

The following temporary measures will apply with immediate effect.

Applicants whose waiver application outcomes are still pending :

Visa holders who have applied for a waiver and the waiver application is still pending as at 30 June 2024, are granted a further temporary extension until 31 December 2024 to enable the Department to process the applications, for applicants to collect their outcomes, and to submit applications for appropriate visas.

Those who wish to abandon their waiver applications and depart from South Africa, will be allowed to exit at a port of entry before or on 31 December 2024 without being declared undesirable in terms of section 30(1)(h) of the Immigration Act, 2002 read with regulation 27(3) of the Immigration Regulations, 2014.

Visa holders who need to travel, but are awaiting the outcome of a waiver application, will be allowed to exit and re-enter at a port of entry up to and including 31 December 2024, without being declared undesirable in terms of section 30(1)(h) of the Immigration Act, 2002 read with regulation 27(3) of the Immigration Regulations, 2014. However, non-visa exempt applicants who travel out of the country with a waiver application receipt are required to apply for a port of entry visa which would allow them re-entry into South Africa.

Applicants whose visa applications are still pending :

Visa holders who have applied for long-term visas (Visitor’s Visas in terms of section 11(1)(b) and 11(6) of the Immigration Act, 2002; Business Visas, Study Visas, Relative’s Visas and Work Visas) and whose application is still pending as at 30 June 2024, are granted a further temporary extension until 31 December 2024 of their current visa status. Applicants are not allowed to engage in any activity other than what the visa conditions provide for.

Those who wish to abandon their visa applications will be allowed to exit at a port of entry before or on 31 December 2024 without being declared undesirable in terms of section 30(1)(h) of the Immigration Act, 2002 read with regulation 27(3) of the Immigration Regulations, 2014.

Visa holders who have appealed a negative decision on an application for long-term visa (Visitor’s Visas in terms of section 11(1)(b) and 11(6) of the Immigration Act, 2002; Business Visas, Study Visas, Relative’s Visas and Work Visas) are granted a temporary extension until 31 December 2024 of the current visa status. Applicants are not allowed to engage in any activity other than what the visa conditions provide for.

Those who wish to abandon their visa appeal applications and depart from South Africa, will be allowed to exit at a port of entry before or on 31 December 2024 without being declared undesirable in terms of section 30(1)(h) of the Immigration Act, 2002 read with regulation 27(3) of the Immigration Regulations, 2014.

Visa appeal applicants who need to travel, but are awaiting the outcome of an appeal application for a long-term visa, will be allowed to exit and re-enter at a port of entry up to and including 31 December 2024, without being declared undesirable in terms of section 30(1)(h) of the Immigration Act, 2002 read with regulation 27(3) of the Immigration Regulations, 2014.

All appeal applicants are required to produce a copy of the rejection letter with a receipt for the appeal application on departure and re-entry into South Africa. Non-visa exempt appeal applicants who travel out of the country with an appeal application receipt, are required to apply for a port of entry visa which would allow them re-entry into South Africa.

Short term visa holders issued in terms of section 11(1)(a)

Short term visa holders issued in terms of section 11(1)(a) of the Immigration Act, 2002 for 90 days or less, who have applied for a renewal, but have not received their visa renewal outcome, must make the necessary arrangements to depart from South Africa within 90 calendar days from the date of expiry of the principal visa, to avoid being declared undesirable. The latter concession is in line with the provisions of section 11(1)(a) of the Immigration Act, 2002 which limits the duration of sojourn for visiting purposes to a total of 180 days.

The temporary concession applies only to foreign nationals who have been legally admitted into South Africa.

This concession is also only applicable to applicants who have submitted their applications via VFS Global and who can produce a verifiable receipt for such application against the VFS Global tracking system.

Visiting Europe will get (slightly) more complicated and expensive for most U.S. travelers next year as new visa requirements take effect.

According to the official travel site of the European Union, visitors from more than 60 countries that are visa-exempt will be required to apply for European Travel Information and Authorization System (ETIAS) approval ahead of their trips starting in 2024. ETIAS visas are not physical documents but are electronically linked to the traveler's passport.

U.S. nationals can travel to most E.U. countries without authorization now, but that ease of movement will change with the new law. Meanwhile, visitors from many countries have had to apply for similar approval to travel to the U.S. since 2009. The U.S. Electronic System for Travel Authorization (ESTA) process is similar to the ETIAS plan.

Here’s what you need to know:

What is the European Travel Information and Authorization System (ETIAS)?

According to E.U. documentation, ETIAS “is an entry requirement for visa-exempt nationals traveling to any of these 30 European countries .”

The government adds that ETIAS approval is intended only for short term stays, up to 90 days in any 180 day period. 

How can you apply for an ETIAS visa?

When the ETIAS requirement begins next year, the E.U. will provide applications through an official website and mobile app.
